Scope

Karunya Institute of Technology and Sciences (KITS) has formulated a policy on E-Governance with the primary objective of deploying necessary Enterprise Resource Planning (ERP) packages in various services and operations of the Institution.

The scope of E-Governance is spread across different operative modules such as admission, academics, finance, examination, hostel management, general administration and HR.

The policy envisages to cover the following: 

Establishing user-friendly ERP solutions to automate various modules in administrative functions and academic activities.

Ensuring transparency and accountability on every process and function.

Implementing the activities effectively to achieve a high level of productivity and efficiency in day-to-day functioning of the Institution.

Facilitating the process of sharing and reuse of information wherever relevant and possible.

Enabling easy access to relevant data by all stakeholders.

Attaining high level of security standards in data management.

The e-governance of KITS is managed and supported by the Computer Technology Centre and Eduserve Team in collaboration with the Deans, Directors, Heads, Coordinators and Consulting Officers concerned in the most effective manner. All administrative, financial, academic and research functions and activities are carried out making use of the digital mode.

1. Website: The website https://karunya.edu provides relevant and updated information on the Institution like, courses offered, scholarship details and other relevant details useful for the public in the areas of admissions, academics, research and infrastructure.

2. Admission: A complete user-friendly online portal is designed and put to operation for the admission process established through the ERP to cater to the admission functions E2E.

3. Academics: A well-established online platform caters to the functions of academics, especially on the process of teaching, learning and other related day-to-day activities and services to meet the user’s requirements and needs. All the students are provided with individual login / credentials to check the daily class timetable and other necessary information pertaining to the students and faculty members.

4. Finance: The ERP online portal is equipped with completely secured payment options and receipt generation to meet payment related needs of the users. There is no cash transaction in the Institution.

5. Examination: Online facilities are provided to the students to register the subjects, pay the examination fee, download hall ticket, and access examination time table and view the examination results through the ERP. The platform also facilitates options for entering the examination attendance and marks of internal examinations and end semester examinations. Online classes have been conducted all through the pandemic times and end semester examinations also conducted online. The platforms of the Institution are capable of dealing with the entire spectrum of activities dealing with teaching and learning. The oral examinations have also been conducted online during the pandemic times.

6. Hostel Management: Complete module of hostel management including selection of rooms, type of accommodation and information on availability of the students in the hostel form part of the e-governance system of the Institution.

7. General Administration: An elaborate campus management system is in place to take care of the entire spectrum of functions and activities of the campus. A well-defined process in place to manage user accounts and master level data entries has been established.

8. HR: A process oriented HR module is established to manage the attendance, leave, salary and other service related records as per the rules and regulations of the Institution.

9. Support: To manage the ERP as well as to update and align it with the objectives of the Institution, an effective ticketing system is made available to all employees. Each employee can raise an online ticket and the same will be addressed by the ERP support team.
