Answer all incoming phone calls before the third ring.

Be warm and enthusiastic. Your voice is the only impression a caller get of your company. When answering, welcome callers courteously and identify yourself and your organization.

       

Keep your voice volume moderate and speak slowly and clearly. Always ask the caller if it’s all right to put him or her on hold. Train your voice and vocabulary to be positive when phone answering. Take telephone messages completely and accurately. If there’s something you don’t understand as the caller to repeat it. Respond to all calls within one business day. If you use an answering machine, make sure that you have a professional message recorded. Train everyone else who answers the phone to answer the same way.

Reflective Essay What I learned in this unit? In this unit I learned many topics in Marketing, I learned about the telephone skills that we have to have when we do a business call. We read some tips about how we have to talk if it is a business or a personal call that is very different, we make some exercises about it and we create and hear examples of conversations at the phone. Also thanks to a presentation that my classmates and I did about promotional campaign, we learn how these function and the different kinds of promotional activities that we had. I also read and learn about the techniques that famous brands use to promote them.

Personal Summaries American Business Style Tone Business letters may vary in tone from familiar to formal, but they should always sound natural. Written English should sound like spoken English. It have to be written in a natural way.

Outlook Business letters may have a positive outlook. Even when the subject of the letter is unpleasant, it is important to remain courteous and tactful. A simple “please” or “thank you” is often enough to make a mundane letter more courteous. Saying “we are sorry” or “I appreciate” can do much to build rewarding business relations.

The “You Approach” The letter should be reader-oriented and sound as if you share your reader’s point of view. It have to let the reader know that you care. You should also be careful to use the reader’s name sparingly in the body of the letter.

Organization A good business letter must be well organized. It must be plan in advance everything you want to say is in the message. Jot down the main point you want to make. List all the details necessary to make that point. It should mention things in a logical order so that the message will come across as clearly as possible. Don’t give the reader more information than is needed. Eliminate repetitious words and phrases from your letters.

Electronic Mail Although is by computer the message should be clear, complete, correct and courteous. Keep the message short. Be sure the message is easy to answer. Beware of electronic eavesdroppers, the message would also be stored in the computer’s memory.

Gender Neutral Language Avoid using gender-specific references, several solutions are possible. Revise the letter to avoid singular human nouns in the first place, that way a third person plural pronoun may be used.

Parts of a Business Letter 1. Letterhead: Printed and supplied by your employer. Is the information about the company.

2. Dateline: Date on which the letter is being prepared. 3. Inside Address: The address of the reader. 4. Attention Line: Used when the letter is addressed to a company as a whole, but you want it to be handled by a specific individual. It should be underlined of typed in capitals.

5. Salutation: You should use an individual’s name whenever it is known, preceded by the word “Dear”.

6. Subject Line: It identifies the content of your message. It should be underlined or typed in capitals.

7. Body: Is the actual message of the letter. 8. Complimentary Closing: Formal way to end a letter. 9. Company Signature: Used when the signer of the letter is writing as a spokesperson for the company.

10. Signer’s Identification: This includes the signer’s name and any relevant titles. 11. Reference Initials: Consisting of the signer’s initials in capitals followed by a slash followed by the lowercase initials of the person who typed the letter.

12. Enclosure Reminder: Consisting of the word “enclosure”. It prevent the reader from discarding important matter with the envelope.

13. “CC” Notation: Tells the reader who has been sent a “carbon” copy of the letter.

Punctuation Styles Open: No punctuation is used, except in the body. Standard: The salutation is followed by a colon; the complimentary closing is followed by a comma.

Arrangement Styles Full-Blocked: All letter parts begin at the left margin. Blocked: All letter parts begin at the left margin, except the dateline, complimentary closing, company signature, and writer’s identification, which start at the horizontal center of the page.

Semi-Blocked or Modified Blocked: This is the same as blocked but the beginning of each paragraph is indented five or ten spaces.

Square-Blocked: The same as a full-blocked letter, except that the date is typed on the same line as the start of the inside address and ends at the right margin; reference initials and enclosure are typed on the same lines as the signature and signer’s identification. As a result, corners are squared off.

Simplified of AMS: The same as full-blocked, except that no salutation or complimentary closing is used, and entirely capitalized subject line must be used, the signer’s identification is typed in all capitals and lists are indented five spaces unless numbered or lettered.

The Envelope Should be addressed to correspond with the inside address. The state name should be abbreviated in accordance with the United States Postal Service ZIP-code style. The address should be blocked and single-spaced and should include the ZIP code one space after the state. Special Instructions should be placed four lines below the return address. Similarly, mailing services, such as Priority Mail or Certified Mail. The return address, matching the letterhead, is usually printed on business envelopes.

Reflective Essay What I learned in this unit? In this unit I learned many topics in Commercial English, I learned about the structure and how we have to write a letter. I learn about the different styles of arrangement and punctuation that can be used in the writing of a letter. I learned this by practicing and copying some of them. I also learned about the necessary characteristics that it has to have to be clear and well write. I think this was short unit, but we finally used the time in a productive way that let us learned and remember many things.
