Motivation Letter Dear IFMSA members, It gives me pleasure and honor to present my candidature for the position of Publications Support Division Director for the term 2014-2015. My name is Marwa Daly, hospital intern from Tunisia and currently the Development Assistant on Publications and Marketing of SCOPH. My journey in IFMSA started 4 years ago. Everything I have worked for has been always related to both Public Health and Publications. That’s why, I was SCOPH Publications Assistant in my NMO ”AssociaMed Tunisia” for the term 2012-2013 and then Development Assistant On Publications and Marketing of SCOPH in IFMSA. I have been fortunate for holding these positions. It allowed me to work on several publications such as: MSI, IFMSA Newsletter, SCOPH Newsletter, Letter to LPOs, SCOPH Manual, March Meeting 2014 Newsletters and so on This made me expand my professional horizons by working not only the content but also the design. Last year, I have attended the first IFMSA General Assembly. It was August Meeting 2013. I was so overwhelmed and impressed that I have applied for the position of Publications Support Division Director even though all I was experienced at are Publications of my own NMO. That was the best decision I have ever made at that time. Even though I wasn’t elected, that made me realize how much publications for me are not just tasks. It’s my PASSION. That’s why, I decided to learn more and to get familiarized with IFMSA Publications first. So, I applied for Development Assistant on Publications and Marketing of SCOPH. That step made me closer to Publications Team and their work. I learned how to work on MSI, IFMSA Newsletter, what the preparation are for General Assemblies. I think I’m READY now. I’m willing to apply because currently I’m sure I can be a good Publications Director, someone who is capable of actively working to create and communicate a positive image to their shareholders, the financial community, and the general public. Giving my past history of commitment to hard work, I’m confident that I will bring a high level of energy and enthusiasm to IFMSA publications. In the end, I would love to quote Terry Orlic who describes my situation perfectly« The heart of human excellence often begins to beat when you discover a pursuit that absorbs you, frees you, challenges you, and gives you a sense of meaning, joy and passion » I would feel highly honored to be entrusted by you to be elected as Publication Support Division Director. Identity is important. The primary roles are to create awareness, trigger recognition of the organization, and activate an already stored image. That’s why my plan of action aims to empower IFMSA Image by:    

Writing tasks as discrete steps that are realistic, measurable and attainable. Identifying clear responsibilities for myself, the Publications Team and Team of officials Developing a specific time schedule for completing tasks. Identifying resources necessary to complete these activities, including plans for acquiring resources. 1/ Publications

1.1MSI-Medical Students International magazine The history of this biannual publication goes back to years ago. I personally find both quality and design astonishingly magnificent. To honor the hard work of several generations, I’m aiming to maintain the same template and work on the following items: • Precise, time-based, and measurable actions that support the completion of a presentable magazine by including specific criteria or measures that indicate which articles meet this objective. These Standards will be set by the Publications Team and team of officials •

To ensure that the design and layout comply with the mandatory requirements of following IFMSA Corporate identity


In order to be effective in providing IFMSA members with the opportunity to make their voice heard and to have a closer overview on their work, it’s important to get involved participants from different regions and NMOs

To ensure sufficient continuity of services and support, in particular with regards to the preparation of different sections with Standing committees’, Support division directors and their corresponding teams

Since the target group of MSI is medical students, it’s essential to extend the audience and made it more accessible to the public. Consideration should be given to delivering such material through intelligible straightforward vocabulary with no sophisticated medical synonyms

Recognize and value the General Assemblies’ themes by collaborating with the organizing committees and Publications Team

1.2.IFMSA Newsletter Newsletters are convenient communication tools, issued monthly. A short publication used to disseminate information about different standing committees. Careful planning of a newsletter will ensure that it is produced within expectations and time requirements: •

To adopt email marketing plan: it’s extremely beneficial to developing trust with the members of our federation, marketing the projects, driving opportunities, showcasing actions and events in several NMOs, and increasing campaign awareness. Subscription to the newsletter is essential to guarantee fluidity and continuous updates

The newsletter should be written in a manner that the readers want to attend and participate in all future IFMSA sessions and activities The most important considerations are to: Determine the content: It must be accurate, factual, brief and impartial. Plan the basic visual layout of the publication: The design must be attractive in order to catch the eye of the IFMSA members and make them want to read it without laying it down. Stick to the deadline: The newsletter needs to be Published regularly( monthly)

1.3.Booklets: -In collaboration with Team of officials and Publications team, working on IFMSA Promotional Booklet, Sponsorship booklet, external booklet, regional meetings, and survival kits. It’s a collective process to bring everyone’s expertise into the design of the team effort.

1.4 Reports Managing a term successfully requires commitment at all levels of the organization to plan carefully, communicate openly, follow through and provide a profitable outcome of each member: • External Meeting Reports: to keep contact & establish schedules for regular updates, meetings, acquisition of materials in addition to updating the NMOs with any progress or changes. •

Monthly Reports(TO related): Establish presentable updated reports

Annual Reports: A well-written annual report will help us demonstrate IFMSA accomplishments to current and future sponsors, cultivate new partnerships, and recognize important people. It can be used as fundraising tool and a marketing piece. The tasks remains to constantly seeking to improve quality, effectiveness and efficiency of the report with the help of the team of officials since mid-term

1.5 Press Releases: •

Created either to preview an upcoming event or to inform the public about something that has already occurred

Written in a clear, concise manner that easily and quickly conveys its message to the reader

Written with the most current and pertinent information in the first two paragraphs

Subject to editing for content and space or time requirements, depending on the

media The final product reviewed by the team of officials

2) The Merchandise: * Helping the organization committees become confident marketers, get more visibility and attention to the materials, attract not only our members but also stakeholders and increase their incomes * Revise every single step with them, assignments and deadlines based on how their plan of action * ensure that the final outcome of the work is confirmed to IFMSA Corporate Identity * coming up with more innovative comprehensive and self-contained to the extent practical products with the help of the vice president for internal affairs 3) IFMSA Reform-Handover


We live in a world that seems to be all punctuation and no equilibrium, where the future is less and less an extrapolation of the past. Change is multifaceted, relentless and seditious. The only thing that can be safely predicted is that sometime soon, any organization will be challenged to change for continuous improvement Vice President for PR and Communications will be in charge of all type of communications. My task is to make sure that he/ she has all the knowledge, skills, training and contacts that he/ she needs. It’s extremely important to prepare the successor which implements delivering a successful handover : •

Write it through the year, documenting all achievements of the last term

Offer clarity, but also honesty. What is a definite requirement of the role and what is a personal reflection and observation of what is actually entailed Share any problems I had and how I dealt with them Finance report An explanation of any meetings they will need to attend or committee they sit on A briefing of on-going issues, or plans I didn’t have time to implement or finish A record of minutes from any meeting I attended A copy of the budget, accounts and details of money I have left and have spent Debriefs or reports from any activities or events Records of any sponsorship or financial agreements Details of storage space I have An explanation of how you communicate with my team Contact details of Publications’ directors of all NMOs to make sure they are accessible as well during the next term

In addition to preparation of the handover, in order to ensure long term development and continuity, guides for how to write press release, how to approach social media and so on will be prepared for the successor 4) Corporate Identity This project has been developed thanks to the work of two consecutive Publications Teams. It covers up almost everything: IFMSA Slogan, Logo, design for different Standing committees, merchandise and the list goes on. Since the major work has been already done, my task is to make sure that all IFMSA Publications follow IFMSA Corporate identity, to explain how to use it and make it


accessible to everyone in addition to finishing what has been already done thanks to a survey that should answer different NMOs, Team of officials and Publications needs

5) Publications Team Team work contributes to a great extent to the success of large organizations like the IFMSA, and as a member of publications’ team, I'm planning to : •

Appropriate team composition is essential in the creation of a successful team. They need to be fully aware of their specific team role and understand what is expected of them in terms of their contribution to the team and IFMSA Publications. Keeping the same structure of the previous teams is the plan To work effectively with my team, providing regular updates, making decision collectively. A collaboration based on Openness, Trust and self-disclosure, Support and Respect Ensure Commitment to team processes, leadership & accountability: Making sure team are accountable for their contribution to the team and the work Working on creating a manual of making a publication with suggested timelines and team structures with the help of the Publications Team and the previous Publications Directors Collaborating to make designing an easier process by creating booklet on how to use Adobe InDesign, Adobe Illustrator and Photoshop

Supporting the team by keeping in touch with Standing Committees’ directors and regional coordinators regarding publications: MSI, Newsletters, Survival Kit, manuals… Ensure continuous communication by sharing regular updates:
