The New District Secretary

Hey, T-O! My name is Lily Nguyen, and I’m so honored to be serving you as your District Secretary for the remainder of the 2015-2016 Key Club year. My favorite things include cats, cartoons, and Mario Kart. But most importantly, I love the sense of community that Key Club brings to high school campuses. My goal is to apply that same sentiment to the District level, too. As District Secretary, I will be the one to grade and send feedback concerning all of your monthly reports. I will also have a new Task-of-the-Month posted on my blog every month as an opportunity for your club to get extra points, so check that out! If you have any questions or concerns regarding reporting, I am always available at (713) 456-0315 or secretary@tokeyclub.com. Remember, I am YOUR District Secretary and I want to help YOU as much as I can. I would be more than happy to review your reports via email before actually grading them, so please utilize me as much as you can. Also, make sure to text “@tosecr” to 810-10 to receive reminders of upcoming deadlines and the like. I’m super excited to see what cool service projects you all come up with in your monthly reports! I look forward to be working with all of you, and I know we can make this Key Club year the best one yet. Yours in Service, Lily Nguyen

DCON On October 3rd, at Fall Rally, the 2016 DCON theme was released - Service: Mission Accepted! The idea of this theme was based on Mission Impossible. The theme will invoke a sense of adventure and espionage, as service will become thrilling for all attendees. For those who have yet to attend DCON, it is a multi-day retreat (this year, beginning on April 21, 2016) at the Sheraton Hotel in downtown Dallas, Texas. It is a time for Texas-Oklahoma Key Clubbers to unite, celebrate a year of service, learn new ways to benefit the community, and make memories that last. Interesting aspects of the event include forums, district staff elections, the welcoming activity, service fair, contests and awards, and so much more. This year, we intend to incorporate the theme into all aspects of the convention. From becoming a secret agent at welcoming activity to secret missions throughout the weekend, we’ll be able to complete the mission of tackling service together. One way to get started now? Tag #todcon2016 with pictures from past conventions you have attended. Or if you went to Fall Rally, share pictures of you wearing the prizes you received! Start preparing today, and be ready to attend the unforgettable DCON 2016, a place where we can tackle the mission of service together!

dUE$ Remember that dues are due on November 30th. You can still recruit new members so please continue because we need to bring our membership up. We have fairly good numbers, but if we can keep raising the total membership number, why not? If you feel that the amount of members that your club can attain as been reached, please send in your dues immediately. Do not wait too long because this can lead to major issues.

Send in your dues to Key Club International: Key Club International 3636 Woodview Trace Indianapolis, IN 46268

Reporting Each club is required to send out a monthly report to the district secretary. The reports consist of how many meetings your club had, who attended, and all of the events your club held. The minutes from every meeting are also turned in with the report. The reports are to be postmarked by the fifth of the following month and sent to the district secretary. For instance, the report for August needs to be postmarked AT LEAST by September 5th.

You can find out more information about reporting at www.tokeyclub.com/resources/ secretary/

Clubs should know how to report by now. Every club needs to be reporting regardless if there were any meetings, any activities, or anything at all (although I hope this is never the case). The district does count points by reports; however, that should not be the only reason you send in reports. It should not be the main reason you send in reports at all. The district wants to have a record of every club and needs to account for every meeting and activity each club participates in. Rather than seeing the reports as something that is mainly used for points, see it as the medium by which the district uses to account for each club. So if you did nothing, the district wants to know. In other words, it is important.

The Key Club faculty advisor should update the club officers at the Membership Update Center.(Not the same thing as the COCI.) Then, the club secretary can follow the easy three-step process. 1 Round up information from each new member, including email addresses and expected year of graduation. 2 Log in and update membership records (graduate members and add new members) at www.keyclub.org/muc. Remember to remove old members. 3 Submit payment or print an invoice and pay by check under the Finances tab.Â

Yes this payment is the same as dues.
