EVENT HOTEL POLICIES GENERAL INFORMATION
GUARANTEES
Due to licensing requirements and for quality control, all food and beverage served at Hotel must be supplied and prepared by Hotel. Outside food and beverage is prohibited and Aloft Asheville Downtown does not permit the removal of any foods provided by the hotel. Any guest bringing outside food or beverage into the function area that is not prepared or previously approved by Hotel will incur a $30 per person ++ charge.
A secured Credit Card Authorization form will be required to secure payment for this event. Group will not be considered definite until the completed CCA is received by Hotel. A deposit schedule may apply. All event details must be finalized with the Catering Sales Manager and approved by both parties on Banquet Event Orders (BEOs). A guaranteed number of attendees is due by noon three business days prior to your function. If no guarantee is provided, the expected attendance at the time of the contract signing becomes the guarantee. The guarantee is the minimum number for which you will be charged. Should your actual attendance exceed your guarantee, you will be charged for the actual number of attendees.
A service charge, currently 24% of the total food and beverage revenue (plus all applicable taxes) will be added to all food and beverage charges onthe final bill. Any changes to room set up made on the day of event will incur a $75 change fee + tax and service charge.
BEVERAGES The hotel holds a liquor license granted by the liquor commission, and is held responsible for complying with its regulations. To ensure the proper regulations of our licensed premises, no alcoholic beverages may be brought into the hotel function space. All beverages will be dispensed by the hotel servers and bartenders. The hotel will receive, handle & dispense donated beverage items for an additional corkage fee.
CONSIDERATIONS A secured Credit Card Authorization Form will be sent to you from Sertifi to secure payment for this event once the agreement/Banquet Event Order has been signed. Group will not be considered definite until the completed CCA is received by Hotel. A deposit will be required at contract signature with the final payment due at the time of the final event guarantee (3) business days prior to group arrival). Should your actual charges exceed the pre-paid amount, final payment will be due at the conclusion of the event.
HOTEL LIABILITY The hotel reserves the right to inspect & control all private functions. The customer agrees to be responsible for any damage done to the hotel. The hotel will not assume responsibility for damage or loss of any articles & merchandise brought into the hotel. With advance notice, we can assist in arranging for security officers for an additional fee.
