It’s been years in the making, but the Greater Cincinnati Northern Kentucky Apartment Association Prestige Awards are making their return on Friday, April 19, 2024.
People nominations are now open and available online. Company, community, and associate member award categories will open shortly. People nominations and entries are free; other primary member and associate member categories are $75 each. The deadline to enter is FEBRUARY 2, 2024, so plan now to make sure you have ample time to get the best photos to make your community stand out. Wow, where did summer go? August is upon us and back to school is in the air. I presume the swiftness was a direct result of the amazing events and education that kept the summer quite busy.
Kicking off with Apartmentalize in Hotlanta, to Next Gen meetings, Media Relations and Crisis Training, the ever-exciting BB Riverboat Cruise, the Summer Golf Outing, education courses including Hands On: Social Media, and NAA Certification classes, GCNKAA has not disappointed.
Behind the scenes, your Board of Directors and Committee volunteers have been working to partner with our City and enhance our legislative efforts. We will look forward to meeting with the Vice Mayor in August, the Mayor in September, and scheduling time to speak with the Auditor in the coming months. The amount of time and dedication it takes from our Legislative Committee Chairs, committee members, and GCNKAA staff is extreme. Thank you to each of you for serving this industry and seeking to make the needed impact in our great city!

Section 608 of the Federal Clean Air Act requires that all persons who maintain, service, repair or dispose of appliances that contain regulated substances be certified in proper refrigerant handling techniques. NAA RAISING CONCERNS ABOUT BIDEN ADMINISTRATION’S “JUNK FEES” INITIATIVE

The National Apartment Association (NAA) has raised concerns about the Biden Administration’s initiative to go after so-called “junk fees” in apartment leases.
On Wednesday, July 19, the administration announced that Zillow, Apartments. com and Affordablehousing.com are taking steps to increase transparency in rents and fees. Following are excerpts of the president’s remarks:
• Zillow is today launching a Cost of Renting Summary on its active apartment listings, empowering the 28 million unique monthly users on its rental platform with clear information on the cost of renting. This new tool will enable renters to easily find out the total cost of renting an apartment from the outset, including all monthly costs and one-time costs, like security deposits and application fees.
• Apartments.com is announcing that this year it will launch a new calculator on its platform that will help renters determine the all-in price of a desired unit. This will include all up-front costs as well as recurring monthly rents and fees. The Apartments.com Network currently lists almost 1.5 million active availabilities across more than 385,000 properties.
• AffordableHousing.com, the nation’s largest online platform
dedicated solely to affordable housing, will require owners to disclose all refundable and non-refundable fees and charges upfront in their listings. It will launch a new “Trusted Owner” badge that protects renters from being charged junk fees by identifying owners who have a history of adhering to best practices, including commitment to reasonable fee limits, no junk fees, and full fee disclosure.
The NAA issued a statement following the announcement that the organization “strongly supports transparency in the leasing process ... (and) the lease is a legally binding contract that should be referenced for all housing costs.”
“Rental housing is a narrow-margin industry that exists to serve our renters and communities. Amenities and services come at a cost, which is communicated with residents in the lease and the leasing process,” the NAA said. “Though the industry supports increased transparency and has always called for dialogue between housing providers and their residents, policymakers must recognize operational realities and the role that fees play in housing viability.”

PRESTIGE AWARDS: HOW TO PLAN TO ENTER YOUR COMPANY, COMMUNITY OR YOUR TEAMMATES
It’s been years in the making, but the Greater Cincinnati Northern Kentucky Apartment Association Prestige Awards are making their return on Friday, April 19, 2024. Some final details are still being worked out but we wanted to give you a ‘heads up’ on how to best prepare to spotlight the excellence of your company, your community, or your industry peers.
The deadline to enter the categories below is FEBRUARY 2, 2024, so plan now to make sure you have ample time to get the best photos to make your community stand out. Think about landscaping, amenities, renovations, and more.

CATEGORIES
Best Company Logo - Any owner or property management company is eligible. Judged on theme, typeface, overall graphic, design and execution of the logo in various applications (digital presence, signage, other collateral). Submit copy of logo as jpg or pdf file, as well as no more than two corresponding digital images of logo in use.
Best Community Logo - Any community is eligible. Judged on community name, theme, typeface, overall graphic, design and execution of the logo in various applications (digital, signage, other collateral). Submit copy of logo as jpg or pdf file, as well as no more than two corresponding digital images of logo in use.
Best Renovation or Property Update - Judged on overall design and execution of the renovation project. Submit total budget cost and total number of units, floor plans and no more than four photos depicting before and after renovation.
Best Property Management Company - Judged on maintenance program, resident retention, employee incentives, associate incentives/recognition, training/education programs, and support of local Association Activities. Submit a typed written essay no longer than three pages, a 30-second video on why your company deserves this award, and one photo of management company, headquarters or staff.
Best Independent Owner Property (Under 200 units) - Judged on overall presentation of the community. Submit floor plans, site plans, and any other supporting materials and no more than three photos.
Best Owner or Property Management Company Website – Entry must be a corporate website which is not part of an apartment internet advertiser. Judged on ease of use, content of information, links to apartment communities, employment and investment opportunities. Also judged on promotion and advertisement of the website. Submit no more than three photos of the website and pro-
motional pieces. Also include internet address for viewing during judging.
Best Community Website – Entry must be a community website which is not part of an apartment internet advertiser. Judged on ease of use for current and potential residents, content of information, links to community amenities, and content of information. Also judged on promotion and advertisement of the website. Submit no more than three photos of the website and promotional pieces. Also include internet address for viewing during judging.
Best Property Management Company or Community Social Media Plan – Entry will be judged on how all the pieces of your social media campaign fit together. Judges will look for creativity, innovation, sound communication skills and results. Winner must be successfully executed across two or more platforms. Submit no more than three photos, any promotional pieces and addresses for your social media sites along with a one page overview of your social media plan including results.
The following categories have been broken down into Category 1, Category 2, and Category 3 according to the following criteria:
• Category 1: Property built and between 2019 and 2023 including properties still under construction
• Category 2: Property built and fully delivered between 2009 and 2018
• Category 3: Property built and fully delivered before 2008
Best Floorplan - Judged on overall layout, use of space, lighting, miscellaneous architectural features. Submit a copy of the floorplan as well as no more than three photos.
Best Landscaping - Judged on use of the site, overall design and layout, use of hardscape, flowers, trees, shrubs, etc. Submit no more than eight photos of the overall community.
Best Amenity Package - Judged on overall design, layout, marketing tools, furnishings, etc. Category includes: clubhouse, pool, fitness center, and other resident amenities. Submit no more than eight photos and corresponding digital images.
Best Decorated Model - Judged on use of color, texture, furniture, accessories, and window treatments. Submit no more than eight photos and link to virtual tour is applicable.
Best Specialty Housing Community – Geared toward student, military, senior, or LIHTC Communities. Judged on overall presentation of the community. Submit floor plans, site plans, brochures and any other supporting materials. Submit no more than 8 digital images including amenities, model and landscaping. Include property web address if applicable.

On Thursday, September 21, GCNKAA will host the Association’s 18th Annual Fall Golf Classic benefiting the GCNKAA Industry Defense Fund. This year’s Fall Golf Outing will once again be held at Elks Run Golf Course on the east side of the city. Registration will open at 8 am with the scramble teeing off at 9 am. All net proceeds of this outing will be used to meet our commitments to the National Apartment Association (NAA), the Apartment Association of Kentucky (AAK) and the Ohio Apartment Association (OAA) government funds as well as provide backing for the legislative committee’s political needs.

Besides the opportunity to meet and greet 600 to 800 industry peers during our trade show, here are additional reasons you won’t want to miss out!
1. New Floorplan. Minor changes have been made again to the floorplan to encourage better foot traffic as well as accommodate more booths. This year the booths remain 8’ x 10’. All booths include pipe and drape, one table, two chairs, booth sign and wi-fi. Premier booths are an additional fee. Other booths are reserved for VIP Sponsors. Electric, carpet and additional tables and chairs can be ordered separately through Sharonville Convention Center or Academy Rentals.
3. Expanded Education Rooms. By creating more education seminars that accommodate more students, we can guarantee a larger attendance of property managers, leasing agents and maintenance technicians when the trade show opens. At the end of these seminars, seminar attendees will flow onto the trade show floor where you have the opportunity to talk with each and every one.
4. More Sponsorship Opportunities. By creating new sponsorship levels, we enable you to get more bang for your sponsorship buck. Whether through signage, verbal recognition or company listing on gcnkaa.org and in the Apartment Advantage, we will find a way for you to get involved whether you have one employee or one thousand. BOOTH SELECTION PROCESS
1. After July 24, click here for the latest floorplan of the 2024 trade show booths as well as the contract. Please note that – as changes happen on a daily basis – this version of the floorplan may not be completely up-to-date.
2. Look at the floorplan and decide which booth you would like, then simply either:
• Visit www.gcnkaa.org and go to the event calendar to reserve your booth online. Available booths will be listed on the registration page. Log in, complete your selection and submit your request immediately.
• OR fill out the booth contract, complete with your first three (3) booth choices and fax back to 513 407-7868. Michele will follow up with you to let you know which booth is available.
BOOTH RESERVATIONS AND PAYMENTS
• After you have selected your booth with the Apartment Association, you must either forward GCNKAA a signed contract or remit full payment to reserve that booth.
• We will hold all booths for 14 days without signed contract or payment.
• You may pay for your booth with check or credit card or call the office for an invoice.
• We cannot hold a booth longer than 14 days without contract or payment. After those 14 days, if we do not receive a contract or full payment, GCNKAA will contact you for payment or contract. If no response, GCNKAA may release the booth you selected.
• Full payment of all booths must be received by February 27, 2024.

LETTER FROM THE PRESIDENT

Well, we are in the full swing of summer with extreme heat, time with family and friends, and longer evenings to enjoy this time of the year. I hope all of you are enjoying this slightly more relaxed season and are making memories with friends and loved ones.
We have been busy at the Apartment Association Outreach (AAO) division for the past few months. We are beyond proud to share that year-to-date we have given $64,500 in rent assistance and $50,000 to our food pantry partners. Our community partners and food pantry partners do such amazing work within the city of Cincinnati and Northern Kentucky. We are honored to help serve in this capacity.
Some of our board members toured the Boone County Head Start organization on June 28, 2023. They appreciate the AAO partnership very much, as we are the sole contributor to their food pantry. Thank you for having us!
In addition, AAO sent $1,000 to Gateway Community & Technical College for our annual scholarship contribution. We love being able to give back to our community, especially through contributing to someone’s education and growth!
Our next Senior Event is August 11, from 11:30 am to 12:30 pm at The Valley Active Senior Living. We will serve lunch, play Bingo, and visit with the community members. It is always such a joy and privilege to serve the elderly community. We are grateful for the opportunity to spend time with these incredible individuals and
hopefully brighten their day.
Our backpack school supply drive is in full swing and close to $15,000 worth of school supplies and backpacks are being delivered to FOUR schools the first week in August! LOVE getting to support these children as they embark on a new school year.
A Night Out for Outreach: Save The Date emails have gone out for our A Night Out For Outreach on September 23, 2023, at The Anderson Pavilion. Thanks to Jill and Justin Seger for co-chairing this event, as well as our Pony Up Sponsors for A Night Out so far: Liz Werner, Forcht Bank, The Heldman Group, Jeff Greenberger, and Rent Manager. Lastly, we are exceptionally grateful for our Champions for Outreach partners that have contributed $260,000 in donations for 2023. Perhaps the most frequently discussed topic in rental housing is how to ace the resident experience to encourage renewals and referrals from residents. When a resident speaks positively about an apartment community within their circle, it can send the community potential leads.
Achieving this goal is complex as each situation is unique, and there can be multiple factors beyond an onsite team’s control when resolving a resident’s needs. Yet, there is a common resident expectation: An attentive team who works to resolve the matter as soon as possible and communicates frequently with them throughout the process.
When it comes to crisis situations, an ace up an onsite team’s sleeve is the goodwill they have earned by delighting their residents in small ways on a day-to-day basis. The key to delivering a personalized and exemplary living experience typically lies not in the grand act but in the unassuming actions performed repeatedly and daily during the life cycle of a resident.
As the leader of a team who has responded to close to 800,000 multifamily reviews by residents, prospects, guests, employees and suppliers, I have gathered insight into what truly delights and disappoints them. There is no better source than hearing from residents themselves about how the community can leave a long-lasting favorable impression.

WHEN YOUR REPUTATION FALLS LIKE DOMINOES
As analyzed by J Turner Research’s AI tool, the top complaints in over 300,000 multifamily reviews relate to customer service, communication, financial issues, maintenance service, condition of the apartment and security. Often, these complaints have a domino effect, where one unpleasant event or interaction with a team member, unresolved maintenance request or an unanswered inquiry acts as a trigger for an outpouring of issues a resident has with the property.
“Do NOT live here. I had two car break-ins while living here, so I never felt safe. Once there was a homeless man walking my hall, knocking on doors, since the secure gates never work in the hallways and garage. (Company) towed my car from the resident garage once, and I had to FIGHT to get them to remove the fee. Nonexistent maintenance - routine requests are rarely addressed. Unit wasn’t move-in ready - trash everywhere, dust, paint cans, etc…”
In this review, the break-in led to an outburst in which the resident documented several “problems” with the property.
“I have lived here for over a year and renewed for another year before the new management company came in. I am not a big fan of the changes the new management has added. We now have to pay monthly for a locker system that most deliverers don’t even

use. I have had numerous packages stolen or gone lost. Will not renew once my contract is over. Rent increases also go up a couple of hundred dollars as well.”
While the root cause is the monthly charge for the locker system, the reviewer has taken this opportunity to complain about management as well as the rent increase.
“The (company) has made it impossible to resolve issues with the office staff, due to reducing operating hours and an automated phone system to an off-site call center that is unable to offer any sort of ‘problem-solving.’”
With companies focusing heavily on automation and centralization, these types of reviews have become more common.
SMALL STEPS, BIG IMPACT
Excellent customer service begins the moment a prospect calls the community or steps foot on the premises. A subtle tweak in daily interactions with residents can go a long way in fostering a strong sense of belonging and loyalty to the community.
“In our industry right now, it’s important that we hyper-focus on customer service and our residents’ needs, staying professional and continuing to remember that every resident is unique,” said Devin Lusk, Director of Marketing for American Landmark. “It’s so important to approach each interaction with empathy and an open mind. Building those strong relationships can lead to such a higher resident satisfaction.”
The following are tips mentioned by residents as compliments in four- and five-star reviews that can inspire you to take a fresh approach to seemingly mundane daily tasks.
TIP 1: BE TIMELY, KNOWLEDGEABLE AND PATIENT WITH EVERY PROSPECT.
“I was particularly impressed with (name)’s prompt response time and her ability to answer all my questions thoroughly and patiently. Her knowledge of the leasing industry and her willingness to go above and beyond to ensure my satisfaction really made a difference.”
While an onsite team works frequently with prospects, the process isn’t routine for the potential resident. Many come armed with a list of questions and will assess not only what you say but how you say it. Be transparent, thorough and patient with all who cross your threshold.
TIP 2: OFFER SOLUTIONS TO EASE THE BURDEN OF MOVE-IN.
“Admin was super friendly and helpful, they supplied us with a dolly and elevator key to make this move easier for us. Our apartment was filled with cute swag as well!”

viding a dolly and elevator key, and it resulted in a favorable impression and rewarded the community with a positive online rating.
TIP 3: DON’T FORGET THE SMALL THINGS THAT MAKE LIFE EASIER FOR A RESIDENT.
“Staff spent the week cleaning out the dryer vents in all the apartments! They truly care about taking care of the property and residents.”
Whether it’s cleaning the dryer vents, changing an AC filter or replacing a lightbulb, you can earn the goodwill of your residents when quickly resolving these items.
TIP 4: FOLLOW UP WITH YOUR RESIDENT AFTER THEIR MAINTENANCE WORK ORDER IS RESOLVED.
“The manager (name) is awesome! When maintenance completes a work order, I get a follow-up text making sure it was completed to my liking.”
Apartment residents realize they are at the mercy of the onsite team when it comes to the condition of their homes. Yet they’re often paying thousands for this “privilege.” A follow-up text or email illustrates that you don’t take them for granted.
TIP 5: RESOLVE CONFLICTS WITH EMPATHY AND FAIRNESS.
“(Name) is the best thing that has ever happened to our community. She is understanding and attentive to our needs. She’s patient with her residents and very good about calming the situations down that come to her office. She seeks resolutions that are just and fair. She also has integrity.”
Residents want their concerns to be heard – especially in difficult situations. Be sure your team listens well and responds with constructive recommendations that illustrate you care.
“It is crucial to empathize with residents without reacting emotionally. Avoid setting unrealistic expectations in the heat of the moment that may be difficult to meet later on,” said Alex Rippy, National Director of Leasing for GMH Communities. “Strive to establish clear expectations and a well-thought-out path forward— even if it doesn’t please everyone but points in a positive direction, and don’t forget to follow up to ensure effectiveness.”
TIP 6: I’M WATCHING YOU: ALWAYS BE PLEASANT AND COURTEOUS.
“It is rare to find a team so engaged in their jobs and attentive to the residents. All members of the office team are pleasant and courteous whenever I run across them in the community.”
Have your team regularly walk through the community and engage residents with a nod, wave or brief chat. When a resident comes by the office, stand and greet them, perhaps, offer a beverage. Don’t check your phone or watch—do your best to listen attentively.
TIP 7: THERE IS NO SUCH THING AS TOO MUCH COMMUNICATION.
“They notify you of everything going on around you with shutoff notices. They never leave you in the [dark] about anything.”
Many complaints are borne from a lack of communication between the onsite team and residents. Don’t make them wonder if their service request will be resolved and/or why the water suddenly shut off. If you don’t communicate, they will fill the void
with the idea that you don’t care.
Lusk said an open line of communication is key. “Encourage your residents to reach out and respond to them promptly and professionally to build a positive and genuine relationship,” she said. “Practicing active listening and understanding your residents is so important. It’s made such a difference with our teams on site when it comes to difficult situations.”
TIP 8: ADDRESS THOSE SEASONAL ISSUES IN YOUR COMMUNITY.
“The maintenance team does a good job of keeping the sidewalks salted and shoveled during snowy winters.”
Every season comes with distinct challenges, and geography may compound them. In the South, summer often is brutal; for the Northeast, winter can be treacherous. By providing consistent service during extreme weather, you can win over your residents.
TIP 9: PROVIDE A COURTESY PATROL TO ENHANCE THE FEELING OF SAFETY.
“I like how we do have security that comes by a few times daily to check the area and make sure everything is secured, safe and quiet!”
Unfortunately, crime has no single address. Bolster your residents’ sense of well-being by providing courtesy patrol services.
TIP 10: THE LITTLE EXTRAS CAN REAP BIG REWARDS FROM A FORMER RESIDENT.
“I love (name) that works at the reception desk! I recently moved out … she was very kind in offering her help to take care of my mailbox until the new resident comes into my former apartment. Thank you!”
A kind gesture, an understanding word and taking care of mundane tasks can make a huge difference to a resident. They will remember these actions during lease renewal, perhaps even overlooking other areas of dissatisfaction.
There are no shortcuts to acing the resident experience: It requires the right attitude, persistence and corporate support. Rippy advises property managers to “step back, actively listen, ask questions, conduct research and return to the conversation armed with accurate information and a resolution that satisfies the problem’s origin.”
Consistently performing the small things right for your residents will help earn their trust which will ultimately enhance renewals, increase referrals and foster a spotless reputation for the community.
