Countdown to Your Perfect Wedding A step-by-step guide to help keep the stars in your eyes, your feet on the ground, and your wedding plans on track. Women who tackle wedding planning pragmatically — as if it were a work-related project — tend to survive the process with greater ease. Think of yourself as a project manager. Establish an overall framework for completing the work, and set specific intermediate deadlines, schedules and goals. Taken one small step at a time, the detail-laden job becomes less overwhelming. Here is our suggested timetable for the steps you should take in the months, weeks and days leading up to your wedding.
9-12 months before your wedding
• Change your Facebook status to “Engaged” • Choose your wedding date. If you plan to be married in a church, temple or mosque or in a religious service at home, clear the date and time with your clergy. • Set your budget. Take time for a heart-to-heart talk with your fiancé about the budget and style of your wedding, reception and wedding-related parties, and who pays for what. • Enlist help. Consider hiring a bridal consultant. If your budget won’t stretch that far, ask relatives and close friends to assist you in specific tasks – selecting a dress, interviewing caterers, locating a reception site – especially in areas where you feel you need support. • Compose your guest list. Let out-of-town guests know your wedding is in the works so they can make travel plans. • Reserve your reception site. • Decide on your color scheme. • Choose your wedding attendants. • Select your wedding gown, shoes and accessories. • Decide on bridesmaids’ dresses. • Determine the theme or mood you’d like to establish with the food, table settings, flowers and entertainment at your reception. • Interview caterers, musicians, florists, photographers, videographers and bakers. Get written estimates of their costs. Keep track of your discussions and their bids in a notebook or with wedding-planning app.
6-9 months before your wedding
• Choose your caterer. Remember to get a written contract. • Book your photographer and/or videographer. • Choose your musician(s).
4 • URLOCALBRIDE.COM
• Send out Save-the-Dates • Select your baker and order the cake. • Choose your florist. • Shop for wedding rings with your fiancé. • Decide on your honeymoon destination. Work with a travel agent to book your travel and accommodations. • Select your wedding invitations. Don’t forget to purchase personal stationery for the thank-you notes you’ll need to write.
4 months before your wedding
• Register for gifts at one or more bridal-gift registries. • Help both mothers to coordinate and shop for their wedding-day attire. • Select music for your ceremony and reception. • Choose readings for your wedding and write your wedding vows. • Plan a rehearsal dinner for members of your wedding party, your family and out-of-town guests. Reserve the location. • Arrange hotel accommodations for members of the wedding party who live out of town. Reserve a block of rooms for other out-of-town guests, and let them know the rooms are available. Remember to ask for any group discounts or special packages. • Reserve your wedding-day transportation and any other wedding-day rental needs. • Make appointments for gown fittings. • Check the requirements for a marriage license. • Make sure contracts and arrangements are complete with all of your service providers.
3 months before your wedding
• Carefully prepare directions, including simply drawn maps, if necessary, to help guide guests to the wedding and reception, and to hotels. For guests who will travel a long distance to your wedding, consider assembling an information package on fun things to do and see in your area. • Begin addressing invitations and announcements. Select a special stamp at the post office. Invitations should go in the mail six to eight weeks before your big day. • Give the caterer or other food suppliers a close idea of the number of guests you expect. • Make sure all reservations are in place for honeymoon travel. • Check with bridesmaids to make sure they have their gowns and are getting them adjusted. • Shop for gifts for your bridesmaids. Offer to help
URLocal Bride your fiancé select gifts for his attendants. • Select your “going away” outfit and special items for your trousseau. • Make a date with your photographer for any formal portraits you desire. • Make an appointment to have your hair done just before your portrait session and again the day or so before your wedding. Consider lily stein Photography including your bridesmaids in a “day of beauty” before your wedding, with manicures, hair styling, massages and makeup sessions.
2 months before your wedding
• Mail out your wedding invitations and announcements. • Finalize the music that will be played during your wedding ceremony. • Meet with musicians who will provide entertainment during your reception and orchestrate precisely what you want and when you want it played. • Don’t be shy to voice your preferences, down to the volume, favorite songs you’d like to hear or even songs you don’t want played. • Plan your rehearsal dinner and a brunch or fun activity for out-of-town guests to enjoy on the day following your wedding. • Purchase special accessories for your wedding-day attire. • Plan a luncheon for your bridesmaids. • Make appointments for a hairdresser, makeup artist and manicurist. • Finalize honeymoon plans. If you’re traveling overseas, check again that your passports are current and that you have any necessary visas. • Gather necessary birth or baptismal certificates you may need for your wedding license.
shots you want taken of the bridal party, as well as specific, candid shots you’d like taken during the reception. • Review the video plans with your videographer. • Put together welcome bags for out-of-town guests.
2 weeks before your wedding
• Keep writing those thank-you notes for wedding gifts! • Pick up your wedding rings. Make sure any special engraving appears precisely as you wished. • Begin packing for honeymoon.
1 week before your wedding
• Make out final checks for all your vendors. • Ask a friend or family member to arrange for wedding gifts that may be brought to your reception to be delivered to your home or another safe spot. • Wrap gifts for bridal attendants and have them ready for the rehearsal dinner. • Reconfirm honeymoon travel and hotel plans. • Arrange for payments to be made to vendors at the agreed-upon time. • Inform your caterer of the final number of guests Call any guests who haven’t RSVP’d to confirm final head count.
The day before your wedding
• Take time to relax and enjoy a massage, manicure and pedicure. • Traditionally, this is the day for your rehearsal ceremony and rehearsal dinner. Have fun! • Turn in early for a good night’s sleep.
1 month before your wedding
• Get your marriage license. • Have a final fitting of your gown and make sure your attendants have theirs. • Check that your menu selections and service plans are locked in place with the caterer. • Keep writing those thank-you notes on a daily basis! • If you plan a formal dinner for your reception, it’s time to draw up a seating plan and make up place cards. • Check with your florist to confirm dates and times of flower deliveries. • Review your wedding-day transportation plans and make sure drivers are clear about addresses, times and number of passengers. • Make name or address changes official on documents, including driver’s license, Social Security forms and financial accounts. Fill out change-ofaddress forms at the post office. • Meet with your photographer to specify the formal

Your Wedding Day
• Allow plenty of time for dressing, makeup and hair styling. • If you plan on photography before the ceremony, allow ample time so you’re not rushed. • Relax, and remember: This is your special day, the result of all your careful planning. Now it’s time to enjoy. Take a deep breath. Refuse to let any glitch get to you. Savor every moment of this sacred day. Let your joy and happiness shine through.
Best wishes!

2013 Wedding Cake Trends t
The trending silhouette is tall and slender with a mix of different height tiers. Then the dash of flavor come in and even flavors have trends and in 2013 the top flavors are red velvet, chocolate and vanilla for the top spots, but 2013 brides have even requested mango or passion fruit. Even having a different flavor for each layer is good for this year! Then you have to find the look, which the top style is clean and modern with just one amazing pop of embellishment such as a bow, monogram or flower. The other major style is to mimic the wedding dress details like lace. This year there is one thing different and that is to see something unexpected nestled among the sugar flowers, like mini sculptures on cakes, for an example hummingbirds made out of modeling chocolate. How To
Research Your Photographer By Anna Sachse
My wedding this past August was truly one of the most beautiful days of my life. The casual elegance of our small farm setting, the best wedding food I’ve ever tasted, our ridiculously hip 1930s jazz band and my manly husband crying as he spoke the vows he wrote himself – these were all parts of a wedding that, for both of us, truly felt like a celebration of who we are rather than a choreographed performance. But that doesn’t mean there aren’t some pretty major things that I wish we’d done differently. We should have hired a wedding planner, we should not have chosen a location that necessitated us remodeling it ourselves and, most importantly, we should have spent more time thinking about our photography. When it comes to budgeting, most folks in the wedding business will tell you that photography is the No. 1 area in which you should never skimp. Pictures capture the moment and help shape your memories as time passes. And it’s unlikely that you will ever again be surrounded by so many of your family members and friends at the same time. For this reason, I willingly paid top dollar for our photographer. Don’t get me wrong, I had a great con22 Fall/Winter 2013 22 •• URLOCALBRIDE.COM URLOCALBRIDE.COM
nection with my photographer, which is extremely important as this person will be following you around all day: in the dressing room, watching your ceremony, privy to your most intimate moments. And from the 2,000 or so shots she took on both digital and film, I will certainly be able to build a lovely book. But the problem is that pretty much no one else is happy with the pictures as a whole. Complaints include: too many of the images are out of focus; there are way too many shots of kids; most of the pictures are taken from frenzel studios far away, prioritizing landscape and legs over people’s faces; and, while there are many great shots of Chris and I, there are very few of our friends. What makes me sad is that all of these “problems” could have easily been eliminated if I’d taken the following three steps.
Step 1: Meet with a few photographers I only met with one because I was busy and liked her personality, as well as her work, right away. But if I had also met with other photographers, I might have seen different
URLocalBride styles or types of pictures that I preferred. I may have stuck with the first photographer anyway, but I would have been better equipped to provide instruction.
Step 2: View as much of their work as possible, including proof sheets When Jon Koch of Jon Koch Photography in St. Louis, first meets with prospective clients, he not only shows them a few paige & blake green long slideshows representing complete er problematic (One fuzzy-edged picture in wedding books, but he also provides four or a book can look arty, but hundreds of them five proof books so that they can truly see can get annoying). what an entire wedding looks like from start to finish – that’s 700 photos for one wedding versus 30. He also offers passwords to online galleries so that clients can view additional proof sheets at home without feeling pressure. Koch meets with clients again before “If, after seeing over 1,000 images, you’re their wedding and has them fill out a sheet not seeing enough portraits or posed party with specific requests. He asks about fampictures, for example, then maybe I’m not ily members so that he will know who they the right photographer for you,” says Koch. are and make sure they are covered. But he “I always ask my clients what style and types also asks that clients take this time to make of pictures are important to them, and I will special requests like getting a picture of a try to accommodate them as best as possigroup of co-workers, high school friends, ble, but, in the end, you can’t really change etc. “Give me everything you want so that the way you view an event and how’d you I can tell you what I can and can’t do,” he choose to capture it.” says. Marriage Licenses
By Lindsay Gower Getting the License Both bride and groom must go, in person together, to a County Clerk’s office. In California, you can go to the Clerk’s Office in any county; it does not need to be the county in which you are having the wedding. Neither of you needs to be a California resident to apply for a California marriage license. No blood test or medical exam is required and there is no waiting period: You apply, pay, and receive the license then and there. You both must: • Be at least 18 years old. If you’re younger, you need consent of parent or guardian. • Bring a government- issued valid picture ID (such as a driver’s license) that includes your full legal name and date of birth. • If you have been married before, bring Proof of Dissolution. You cannot apply for a marriage license if you are married. What to Do With the License You receive an unsigned license. Here’s what happens to make it an official wedding certificate: • The license is good anywhere in California, regardless of which county issued it. It’s valid for 90 days. If 90 days pass before a wedding ceremony, you must get a new license. • Before the wedding, give the license to the person who’ll officiate at the ceremony. The officiant is required to review the license before conducting the ceremony. It’s a good idea to bring it to the rehearsal for go over it with the officiant, and of course bring it to the wedding. • After the ceremony, the officiant will complete and sign the license, and have it signed by bride, groom and at least one witness. • The officiant will return the license to the County Clerk’s office within 10 days of the ceremony, so it can be officially recorded. Once recorded, you can buy a copy of your wedding certificate (depending on the county, you don’t receive one automatically). Where to Apply on the Peninsula You can apply at the County Clerk’s office any weekday (except holidays). In San Mateo and Santa Clara, you do not need an appointment. There county offices open at 8:00am and close at 4:30pm, so arrive before 4:00 to have time to complete the paperwork. In San Francisco county, you must first make an appointment to get your license. San Mateo County Clerk 555 County Center, First Floor Redwood City, CA 94063 650.363.4500 Their web page regarding licenses is: http://www.smcare.org/ clerk/marriage/ • Weekdays, 8:00am - 4:30pm. Arrive before 4:00 to have time to complete the paperwork • You can begin the process by filling in the online application. You must still go to the office to complete the process. You can fill out the form at the office if you prefer. • The fee is $78 for the license, payable by cash, debit card, Visa or Mastercard. • You can get a copy of the marriage certificate, after it is recorded, for $14.
San Francisco County San Francisco County Clerk City Hall, Suite 168 1 Dr. Carlton B. Goodlett Place San Francisco, CA 94102 415.554.4950 Their web page regarding licenses is: http://www.sfgov2.org/index. aspx?page=16 • In SF County, you must make an appointment for your license. Reservations are available Monday-Friday every half hour between 8:30 a.m. through 3:30 p.m. • The fee is $99, which you must pay when you schedule your appointment. They accept cash, money order, debit cards and personal checks. • You can get a copy of the marriage certificate, after it is recorded, for $21.

They require you to present your completed request by 4:15pm. You can fill in the PDF application at their website and bring it with you, or you can fill out the form at the office. • The fee is $79 for the license (and $2.50 convenience fee), payable by cash, check, or debit card. here’s no place like home, right? Here’s how to show off your favorite local area with a wedding reception that features stand-out local wines, beers and spirits.
A Pretty Presentation Shine the spotlight on local labels by finding fun ways to make them an active part of your big day’s events, says Christopher Chan, director of wine & spirits at The Rainier Club, a historic private club and event space in Seattle. He suggests starting the reception with a “Wine Tasting Bar.” Select two each of your state’s best white and red wines and pair them with trays of hors d’oeuvres. Syrah is a winner with lamb, for example, while the sweetness of a dry sémillon is sublime with crab cakes. For suds-lovers, Chan recommends hosting a microbrew station. Fill tubs with ice and a variety of local brews that range from bright, hoppy pale ales to dark, malty ambers and porters.

As for spirits, prepare a build-your-own bar that features a local vodka or gin along with a variety of mixers, such as fresh juices and specialty sodas, and ingredients like seasonal herbs and berries. “If you opt for stationstyle dinner service, another way to highlight one or all of these beverages is to pair each table with the wine, beer or cocktail that suits that particular cuisine best,” says Jessica Pennington, owner and lead planner for Stella Event Design in St. Joseph, Mich. But even if you decide to keep all the bottles behind the bar, she suggests including the background information on cute signs and/or your menu cards.
Smart Sourcing
Your caterer will likely have advice about which regional beverages are the best match for the food being served, but if you are able to procure your own alcohol and you really want to go local, chat with the folks at an area wine shop, Chan says. Not only do these vino aficionados have an insider’s point of view on delicious wines at affordable prices, they often carry craft beers and can typically weigh in on the best local spirits. Plus, many wine shops offer a 10- to 20-percent discount when you buy in bulk, notes Pennington, as do many wineries, breweries, distilleries and grocery stores. If you really want to show off some higher-end bottles but also have a limited budget, the answer is portion control, says Chan. Feature that favorite spirit in a specialty cocktail and, when guests are seated, have waiters pour small glasses of wine and beer as a special treat to kick off dinner. Or go with Pennington’s sweet tip: Stick with cheaper products in the bar, but offer a really splendid local dessert wine with the cake for a fabulous flavor combination that guests won’t soon forget.

Vendor Etiquette By Anna Sachse
Whether it’s your caterer, band, DJ, florist, cake baker, photographer or wedding planner, top-notch vendors can make all the difference between a lackluster event and a blowout celebration. Their primary goal is to ensure that you are blissfully happy on one of the most memorable days of your life. With this kind of dedication, it seems only fair to consider a few ways to make them happy in return. First and foremost, instead of viewing your vendors as nothing more than categories in your budget, try to remember that you are all working together as a team. This means that sometimes it’s your job to provide direction, and sometimes you should take their advice, says Millie Martini Bratten, editor in chief of Brides magazine. Don’t micromanage. “You want to select vendors who you really feel like work as a partner with you,” she advises. “Be up front about your likes and dislikes, listen to what they have to say and allow them the leeway to use their expertise.” These professionals are experts in their field, can problem-solve quickly and understand your vision for your event. Pay them the respect of asking how they work best, and follow through on their requests, such as providing tear sheets or photos of samples for your florist, a playlist for the DJ or a person who the photographer can turn to during the formal pictures to make sure all the family members are accounted for. It’s a win-win. Another easy way to show consider42 • URLOCALBRIDE.COM Fall/Winter 2013
ation for your vendors is to feed them if they are working during your event. According to Bratten, there are no hard and fast rules regarding which vendors should be fed, but it’s typically the people who provide a service – such as musicians, photographers or coordinators – but not those who provide a product, such as florists or cake bakers. (An exception is catering staff – they provide a service, but if they are fed, it’s generally at the caterer’s own expense.) Indeed, it is becoming more and more common for bands and photographers to write meal requirements into their contracts. “They are likely there for four or five hours so not only will it make them feel special and appreciated, it will help keep their energy up and make them more likely to give you their all,” says Bratten. In addition to the fee for food served to the guests, couples are expected to pay for the food they provide their vendors; but no caterer should charge for vendor’s meals without the couple’s prior knowledge and approval. “First and foremost we do exactly what the client asks us to do with the food they have bought for the wedding,” says Lisa Dupar, owner of Lisa Dupar Catering and the Pomegranate Bistro in Seattle. “The food and service they are purchasing is primarily for the bride, groom and their guests, and we consider it their goods.” For this reason, says Bratten, it’s certainly not expected that you serve your vendors the same meal that you’re
He Proposed, You Said Yes URLocalBride
serving to your guests. Have a few pizzas delivered or have your caterer provide something simple, recommends Dupar. These meals are much cheaper and don’t require that couples spend extra money renting additional plates, flatware and linen. As most vendors don’t have much time to spare anyway, these easy-to-eat meals should do the trick. Let your caterer know ahead of time who you would like to feed, and then they can work with the various vendors to pick an appropriate time and place. “Ideally they are having a bite before anyone even arrives so that they can focus on their work when the reception starts,” says Dupar. “Or they are sitting down at the very end of the event, after they’ve done their work and the guests are leaving or gone, but before the catering staff has started breaking everything down.” Finally, to ensure happy vendors, take the time to determine which ones should receive a gratuity after the completion of a job well done. There are numerous guides available that outline the current protocol on tipping, from restroom attendants to limo drivers. Tipping is standard for certain vendors, but every vendor will appreciate a hand-written note. Be specific about the details, advises Bratten, such as mentioning if the band played the song for your first dance to perfection or if the caterer’s vegetarian option knocked your socks off. They can show these notes to prospective clients. “They want you to refer them,” says Bratten, which is an easy way to thank your vendors that won’t cost you a cent.

Questions to ask when choosing a venue: • What’s the décor like? • Does it fit your style, colors and budget? • Will you have to spend a lot of money to make it beautiful? • Is there a space for the bride & groom to change? • Do they have an in-house caterer and do you like the food?
• Can you bring in your own caterer? • Are there overtime charges? • Is there a wedding coordinator onsite? • Is there a back-up plan if the location is outdoors? • Are candles allowed? • Do they have a liquor license?

Destination Documentation
All exotic abroad honeymoons start with the same thing - a passport By Timothy R. Schulte ctw features
As the gray skies of winter creep in, tropical locales become all the more alluring. But couples planning to jet off to a foreign paradise after tying the knot need to get one thing taken care of first: the passport. If you don’t yet have a passport, right now would be a great time to start the application process At the start of November, applications were being processed in four to six weeks (two to three if expedited); during busier travel periods like the summer the wait can be longer - not good if you’re mypassport-needs-to-arrive-soon window is small. So what do you need to do?
1. Complete Form DS-11: Application For A U.S. Passport You must apply in person at an Acceptance Facility, such as a post office, or Passport Agency. Do not sign the form until instructed to do so by the Acceptance Agent. Also, be sure to have all the required documentation, which we’ll get to.
2. Submit Evidence of U.S. Citizenship Evidence of U.S. citizenship must be submitted with Form DS-11, such as: • Certified birth certificate issued by the city, county or state • Consular Report of Birth Abroad or Certification of Birth • Naturalization Certificate of Citizenship
3. Present Identification Acceptable identification includes: • Naturalization Certificate • Valid Driver’s License • Current Government ID (city, state or federal) • Current Military ID (military and dependents) 4. Submit a Photocopy of the ID Presented Above The front and back side of the ID document on 8.5-by-11 paper
5. Pay the Application Fee Currently the rates are $75 for a Passport Book and $95 for a Passport Book + Passport Card, plus a $25 execution fee.
6. Provide 2 Passport Photos You’ll need two identical 2-by-2 color photos to be used for your passport. Many pharmacy and office-supply stores offer passport-photo services. For specific details, visit travel.state. com. Smile, and enjoy your trip!
