December 2020 NEWS & VIEWS FROM THE C&I TRUST DIGITAL TEAM

Jeff Boateng, Exec Director of the Trust Digital team, looks back at the highlights of 2020 What a year! Little did I know at the start of 2020 of the challenges ahead for the Trust Digital team. As we all know, Covid 19 hit in early Spring. Apart from the serious implications for all staff, including clinical colleagues and service users, this created a massive impact on the work of the digital team, with the need to ‘gear up’ and respond by getting staff enabled to work remotely. Information Governance and Informatics were also impacted with the need for more IG and data around Covid measures. IT service desk log requests literally doubled overnight from April and remained that way all year; and we’re only just seeing the numbers go down to near ‘normal’ levels this month. We didn’t increase the size of the team – so I want to really shout out to all the team for their work and efforts this year. We know that many staff have experienced IT issues, but we’ve really worked hard to toil through those and reduce the numbers down. As I look back over the year, there have been some upsides to what has been a difficult year for many. And so, here’s my top 20 list for 2020. In the meantime, I want to wish all of you a spectacular December and a great festive season. Please try to enjoy the holiday season, get some rest and leisure time with your family and friends, and I look forward to working with all of you in 2021. Bring it on!

2020 highlights We moved to Windows 10 over the summer. This 1 involved the upgrade for over 2000 staff and I want to thank the Service Delivery team for a sterling effort in getting this implemented. We switched to FortiClient in October; our new Remote Access System to access the Trust network. The move went smoothly and we’re hearing positive reports from across the Trust on improved network access.

I took on the substantive post as Executive Director of Digital Services and Informatics in August. It’s been a whirlwind first six months, however I’m looking forward to 2021 and continuing to lead on information management and technology and progressing the significant digital agenda, as well as continuing as executive sponsor for the equalities and diversity work.

We’ve set up our new PMO - I’m so pleased to see our new Programme Management Office set up with a team of four. I know that Dick, Ed, Wasim and Stuart will make a great difference to the momentum of our projects and programmes. You can read more about this team in this newsletter, see page 2.

We have issued 113 docking stations to date this year.

The Trust Digital team have issued over 752 brand new laptops during 2020 (plus many more have been upgraded to Windows 10 and then recycled).

Our Wi-Fi improvement programme continues into Spring 2021. To date, we have completed the migration to the new super-fast network - MPLS on 12 out of the 14 planned sites. This represents a total migration percentage of 95%.

Digital technology has become a significant part of our everyday lives. It also has great potential to improve how the NHS delivers its services in a new and modern way; providing faster, safer and more convenient care.

Who is in our PMO team?

Across the NHS, there’s an aim to increase the range of digital health tools and services. People will have more opportunity to be able to seek health information and support online and choose whether they speak to a clinician on the phone via video or in person. A wide range of NHS-approved apps will help people get ongoing support to help them manage their health and wellbeing needs, backed up by face-to-face care when needed.

Dick started at the Trust in November and will be heading up the PMO team. Dick brings a wealth of project management experience, including from his most recent role at SWL & St Georges Mental Health Trust delivering large scale Digital Transformation projects.

We’re driving a range of projects and programmes across the Trust to help us utilise digital; to make us more effective, deliver more, and keep pace with new technology. All these need drive and development to help us keep the momentum and deliver the projects successfully. With that firmly in mind, the Trust Digital team have now put a Programme Management Office (PMO) in place, as part of the department, operational from end of November.

We’ve just been recruiting for the team and I met with both external and internal candidates. I’m pleased to say that we’ve filled the roles with a mixture of both.

Ed Fernandez – Senior Project Manager Ed has been working here at the Trust as an ICT Programme lead, specifically on our Wi-Fi and infrastructure programmes. Ed has now been appointed to one of our Senior Project Manager roles and I’m pleased that he will be bringing his Trust experience across to the new PMO as we work to set up the team.

Wasim has also been working here at the Trust as an ICT project manager, specifically on the successful migration to Office 365 which is near completion, creating opportunities for smarter working for staff across the Trust. Wasim brings his Trust knowledge and expertise across to the new PMO as we work to set up the team.

Why do we need a PMO?

The first and foremost role of a PMO is to provide necessary project and programme management support. We have many of these digitally led initiatives underway across the Trust, from IT, through to data quality and information governance. These need targeted and specific support to keep them on track in terms of resources; these being time, effort and money. In this way, having a structured PMO will help us deliver on these projects in a cost-effective way and ensure that they’re implemented successfully, for the benefit of staff and service users.

Stuart joined the team in November and brings with him a considerable track record of delivering ICT change projects within the NHS and Local Government. His most recent role was Senior project manager at CLCH (Central London Community Healthcare NHS Trust) migrating their Rio system to EMIS. Click HERE to continue


Spotlight on SharePoint online

Health Information Exchange

Our third-party supplier, Phoenix, who created our Office 365 training sessions over the summer, have put together a short video to show you how to share files to external parties using SharePoint online. This video has been created specifically for C&I. If you have any questions on how to use SharePoint, email 365@candi.nhs.uk

We caught up with Bhavneet Kaur, Project Manager for Health Information Exchange (HIE), to find out the latest on this clinical tool.

Note, not all SharePoint sites are going to be enabled for external sharing, this will have to be requested via IT. Latest from Mahwish Noor – Head of Information Governance C&I’s cyber security levels The Information Governance (IG) team have worked hard to improve the Trust’s cyber security levels during 2021. This will help us achieve the Cyber Essentials Plus accreditation which is mandatory for all NHS Trusts from 2021. As of November 2021, the Trust’s Cyber Security risk exposure has decreased and is assessed as Medium.

What is HIE? HIE is a secure tool that will give clinicians a view of their individual patient’s latest records from other services, such as blood test results from GP’s or other Acute Services, or to view medical condition records. HIE is designed to support direct patient care and is accessible via a ‘simple button’ within the CareNotes app. The tool itself does not hold any data. It is a viewing tool.

What’s the timeline? The first stage of HIE will go live later in December, whereby you will be able to view data from other users. Following that, we will go live with sharing C&I data with other users. Click HERE for more info

We also successfully completed the ICO (Information Commissioners Office) audit. ICO are an independent authority who can impose fines and penalties in the IG world. We managed to achieve a reasonable assurance, and the team is working on the recommendations. Well done to the team for the work on this! Data Security and Protection Toolkit Looking ahead, the IG team is planning ahead for the next Data Security and Protection Toolkit (DSPT) which is due at end of June 2021. The DSPT is a really helpful annual self-assessment for health and care organisations. It shows organisations what they need to do to keep people’s information safe, and to protect the business from the risk of a data breach or a cyber attack. Click HERE to continue

ICO audit

Some new features coming for Microsoft Teams You can read about some of the new features on the way HERE. Two that are now available are:

Manage Meeting options directly from the meeting No need to go onto the browser to change meeting options, you will be able to do this directly from the meeting by clicking on the ellipses (3 dots) and selecting meeting options

Appear Offline Busy and don’t wish to talk to anyone? Teams will soon have the option to appear offline in the presence status.


SURFACE HUB – TO THE RESCUE A Surface Hub device, on loan to the Mental Health Crisis Assessment Service (MHCAS) team based in St Pancras Hospital, has been a huge hit. The Surface Hub is a brand of interactive whiteboard developed and marketed by Microsoft., as part of the Microsoft Surface. Wall-mounted or roller-standmounted, the touchscreen device has multi-touch and multi-pen capabilities and is compatible with Windows 10, which we use across the Trust. The devices are designed to help while collaborating in meetings and videoconferencing. Dr Dove, our Consultant Psychiatrist at MHCAS Mental Health Crisis Assessment Service (MHCAS), was delighted to explain, ‘We love Surface Hub. It does take a bit of getting used to in terms of getting it started but once you understand

it, it’s OK. I am sure there is loads of functionality we’re not currently using, so we’ve booked a bit of IT training on the device. We used it for our recent team building day and this was a key piece of kit which helped make that work’. Speaking about the Surface Hub, Jeff Boateng, Exec Director of the Trust Digital team said, ‘Currently we only have one Surface Hub in the Trust, but if you are interested and would like to consider one for clinical team use, then this can be explored. If interested, please email 365@candi.nhs.uk including a short rationale on Surface Hub use within your team’.

The ICT Service desk This team acts as a single point of contact between ICT services and staff. This is where you can submit enquiries, log incidents, obtain help and request change. To report an IT issue please use the contact details below, with your name and details of the issue/fault.
