GLOBAL YOUTH AMBASSADOR PROGRAM


 The GYAP is under GCDP Function in AIESEC UI

 GYAP is a product name from GCDP  What is GCDP?  A Global Community Development Program (GCDP) experience is an opportunity for young people to develop entrepreneurial & leadership potential by creating direct positive impact through an international volunteering experience.


As a Global Youth Ambassador you will be sent by Outgoing Exchange GCDP AIESEC UI and will be received by Incoming Exchange GCDP in AIESEC LC abroad

PROGRAM OBJECTIVES  A positive learning experience

 Practical skills and knowledge in a foreign environment to complement higher educational background

 Interaction with a different social and cultural environment with a view to gaining intercultural competencies

 Develop the EP’s awareness and knowledge of social issues and different practices of the sending and hosting country

 Opportunity to contribute to EP’s personal and professional life goal

 Intended to be a permanent or recruitment opportunity in another country. If the organization decides to extend the internship on a permanent basis, AIESEC will have no role in facilitating this

 A vehicle for any person to permanently leave their country and territory. AIESEC does not encourage the extension of internships beyond the limit of 18 months

EP Manager Role EP Manager will help you to:

1. Give information about basic AIESEC knowledge e.g. The AIESEC Way, internships.aiesec.org, etc.

2. Give guidance and assistance to find a project to be matched with your EP Form on internships.aiesec.org together

3. Give suggestion about the right project (TN) and country destination

4. Give guidance for preparation (VISA, what to bring, etc) 5. Give support during realization


Your Role as Youth Ambassador ď‚— Global Youth Ambassador Program aims to contribute positive impact in order to improve the conditions caused by those issues.


Your Role as Youth Ambassador  Voluntarily spend your time, energy, and financial for the whole exchange process

 Pre-exchange  Raise yourself to AIESEC Global System, internships.aiesec.org  Attend all events for Youth Ambassador (Induction seminar, mentoring, OPS)  Do constant matching  Logistical preparation

 During exchange  Work in the project (internship)  Be the ambassador!

 Post exchange  Reintegrate with AIESEC!  Continue spreading the impact 

3. RAISING •Raising is the process so EP can be registered as an exchange participant in AIESEC system. •Make sure you got the Raising Guideline Booklet or Informatioin from your EP Manager

RAISING- (MARCH)

 An agreement that you will be our exchange participant (EP) and ensure that we both can work together so you can go for social volunteering abroad

 Consist of our program rules & regulation, also the rights & responsibilities of AIESEC and the exchange Participant

 Before signing, you need to pay 1.5 million to AIESEC UI Bank Account

 Make sure you have the copy of the contract after you paid & do the signing contract

 It is an obligatory to meet your EP Manager , maximum 1 week after you do the sign contract

 You can discuss about how he/ she will help you during our process, and get to know each other well

 It is important to discuss agreement of expectation with you EP Manager! To discuss you region and issue preferences and setting expectation during our process. You have to list your top 3 region & top 3 social issues

 You will get an account and after you do this you can search and apply for projects!

 You can search and apply for project easily in internships.aiesec.org (Ask your EP Manager about this)

 Make sure you filter the projects based on your preferences region and issue stated in the agreement of expectation!

 After you apply, wait for the response from the TN side. If they are interested, they might ask you for interview or accept you rightaway

 Ask interview tips from EP Manager & always be proactive!

 Ask your EP Manager to invite to matching facebook group, example: “AIESEC Whole World”

 Search for opportunities that fits you  Contact directly the TN Manager of the project

 Send them your CV and profile link to the TN through email or message FB

 If they accept your application, apply the TN in internships.aiesec.org, and ask the TN to approve your application rightaway

ď‚— You are Matched in a project after the TN Manager changed your status into Matched and then you and the TN Manager signed the acceptance note in our system

ď‚— If you apply for many project at once, and all the TNs approved your application, choose ONLY one project & ONLY sign the acceptance note of the project you want

You cannot cancel the acceptance note you signed & after you sign, you have to proceed and prepare for your realization

 After you sign the acceptance note, your status will be changed to waiting approval

 Contact your EP Manager to accept your acceptance note and contact the TN Manager to sign the acceptance note

 After that, your are officially matched!


When you are matched…  Directly ask the TN manager to send the Invitation Letter

 Pay the second administration fee for IDR 1 million (max.2 weeks after signing the acceptance note) and give the proof to EP Manager


Mentoring & LEAD session

MATCHING- APRIL & MAY

 Is an event to help you during matching & help solve your matching problem

 We will give you practical knowledge about how to search project, apply for projects, tips & tricks interview or making video, etc.

 We will also facilitate you to make personal goal setting & expectation setting towards your exchange experience

This is an obligatory so make sure you come to this event! If you cannot, make sure your EP Manager explains these sessions personally

PREPARATION- MAY & JUNE

 In 7 days after you are matched, you should start preparing the visa, plane tickets & travel insurance 

 Ask your EP Manager for the VISA Guideline booklet  Don’t forget to give all your documents (invitation letter, scan of visa, scan of travel insurance, scan of flight schedule) to your EP Manager


OPS

PREPARATION- MAY & JUNE

 Outgoing Preparation Seminar (OPS) is a seminar to give you knowledge & guidance before you go abroad

 We will explain about : How to be a good ambassador, worst case scenario, Logistic check, culture shock, inner & outer journey, XPP

Make sure you come because it’s an obligatory. If you cannot come, make sure your EP Manager deliver these sessions!


REALIZATION- JUNE/JULY/ AUGUST  REALIZED is when Exchange Participant start working in AIESEC LC Abroad for a Global Community Development Program.

 Make sure you got the EP Guideline for Realization from your EP Manager!


REINTEGRATION  It’s when you finished your 6-8 week experience and reintegrated back to AIESEC UI

 You have to attend our EP Returnee Day Event to get the official certificate from AIESEC UI

 You are allowed to get the certificate only if you have: filled AIESEC questionnaire through e-mail, give photo & testimony about the experience and posting it in social media max. 3 weeks after experience


Exchange Program Policy


Break Raise Policy  A “break raise” is when there is a cancellation of proceeding the exchange process after agreement is made and before “matched” status is reached

 If you choose to cancel not based on the valid reasons, it is considered that your contract will no longer valid or you will have to pay again the next time you want to continue


Valid Reasons of Break Raise Policy  The acceptable conditions:    

Rejected by TN minimum 5 times EP or family sick  give proof Rejected after: Applying to every project based on the issue, region chosen & based on the matchability with TN  Applying for min.8 TN in every region (from 3 preference region) or min. 12 TN in every region (from 2 preference region)


Break Matched Policy  A condition where an Exchange Participant terminates his/her matched status on internships.aiesec.org or being terminated by the TN manager

 EP terminates their exchange status without any valid reasons:  Pay penalty fee in the amount of IDR 1,500,000,00  EP’s “matched” status is being terminated by the TN manager: No need to pay for penalty


What is considered as valid reason  EP’s host LC terminated the status without any confirmation

 EP has a severe illness or got an accident  Unstable political condition in the host country  Others: in sign contract

In total: IDR 2.500.000 IDR 1.500.000 on the contract-signing session

IDR 1.000.000 from the day the status on system is changed to “MATCHED� and signed acceptance note
