ELM Update

SPRING HAS ARRIVED IN FLORIDA!

vergreen Lifestyles Management has been very busy over the last eight months improving operations throughout Florida and within our corporate office in Jacksonville. Below is a quick overview of the improvements: •

Improving overall communications with Onsite Manager, Portfolio Managers, Department Heads, and the Executive Team. 1. Weekly Community Manager and Department Head meetings at 10am every Wednesday via phone conference. 2. Face-to-face meetings with statewide Managers monthly. 3. Lifestyles all-team brainstorm conference calls each month. 4. Bi-annual all-staff Summit Meetings in person, to team build and hear the current direction of Evergreen Lifestyles Management.

24-7 Customer Service Platform: 877-221-6919 (live person will answer all calls – no answering machine).

All Evergreen communities now have ELM Customer Service Magnets for the homeowners’ quick reference to call if an emergency has happened or they need a work order completed within the community.

ELM 300 Question and Answer Customer Care Platform: This is internet based so everyone within ELM can answer questions that a homeowner or

potential buyer might have. It is updated monthly by managers/board members. •

We hired a new Controller for Evergreen in March 2015 – Wendy Herkenratt. See page 5 for more about Wendy.

ELM implemented a Monthly Financial Checklist for the Accounting Department and LCAMs.

Established Monthly Detailed Variance Reports that are included in the Monthly Board Packets.

Upgraded management software that communicates with the associations’ banks so you have real time operations – this rolled out in early 2015.

All Community Managers have an iPad with a Compliance APP so they can conduct Mobile Compliance within their communities – this feature is rolling out in April 2015.

Customer Service is our focus. We have continuous customer service training for all employees. The management team just finished the “Johnny the Bagger” series.

Launched ELM’s state of the art proprietary Lifestyles Website Platform, which is taking Lifestyles and communications within our communities to the next level. (See page 6 for more information.)

WELCOME TO THE TEAM

Wendy Herkenratt is a long-time Florida resident with deep seeded roots in not-for-profit and property management accounting and has over 15 years of experience in the areas of accounting, budgeting, collections, grant reporting and strategic planning. She has a Bachelors of Science in Accounting and a Masters in Business Administration, both from the University of South Florida. Her career began as a Property Accounting Assistant in 1999 in Orlando, FL. Wendy moved to South Florida in 2002 where she started as Assistant to the Director of Finance and became the Accounting and Financial Manager for the Morikami Museum and Japanese Gardens. She found her way back to property management in 2010 as the Delinquent Accounts Manager for a Central Florida property management company. It is here she learned the HOA/COA side of property management. While working closely with several local association law firms in collection efforts against delinquent owners, she was approached by one of Central Florida’s prominent association law firms to spearhead their collections department. After a few months,

she took on the role of Accounting Manager along with her Collection Manager position. Wendy used her prior experience in property management to speak to managers and board members to inform them and keep them up to date on the collection process, annual changes in laws and statutes, and how to account for monies when applying safe harbor or other case law reductions. She also spoke at several seminars on the topics of Financials and Budgets for Continuing Educational Credits for Managers and Board Members. Wendy has found her way back to property management as the new Controller for Evergreen Lifestyles Management. She is very happy to be back in the field she started in and is excited about the opportunities at Evergreen as they grow the company to be the premier choice for property and lifestyles management.

WENDY HERKENRATT Our new Controller Wendy, who has a Bachelors Degree in Accounting and a Masters in Business Administration, will also be handling Accounts Receivable, Accounts Payable, Financials, Budget Planning, and Audits.

CALENDAR

The homepage displays the mobile and desktop friendly design that was developed to cater to the user’s needs. The slideshow displays important events or announcements directing the user to take action.

The calendar lists all events in the community along with their category. Residents select their personal interests on their profile so that can have a customized view of the calendar. The platform also provides a built in RSVP system for the Lifestyles Director to manage event attendees.

THINGS TO DO & AMENITIES

PHOTO GALLERY

Each site has a section that provides a list of the amenities, clubs, etc. in the community. Residents and potential buyers in the community can visit these pages to learn more about these activities.

The platform provides a photo gallery page that allows for residents to view pictures taken at the latest event. The users are also able to Facebook share these pictures straight to their personal Facebook account to help promote the community.

SALES/RESIDENT INFORMATION The platform provides a section for the Sales Team and/or Lifestyles Director to enter and pull information that is useful. For the sales team, they can add prospect information, access videos of the community, and pull live data such as resident interest information or event data (RSVP counts) to show how popular events, clubs, and amenities are in the community.

PROFILE, DUES & PAYMENT ACCESS The platform provides a section where the user can update their contact information, interests in the community, pay their association dues, and any other connected system such as Gate Management Software.
