he secret to planning a fabulous, stress-free wedding and reception is finding the right venue. By addressing several issues before you book your location, you can avoid costly mistakes and unwanted surprises, and have the wedding and reception you’ve always dreamed of.
Finding the Right Location Begin by setting the wedding date, size, budget and style. Once these particulars have been established your next major decision will be the wedding and reception location. If you already have a place in mind contact the facility manager immediately to confirm the availability of the date you’ve selected and to schedule an appointment for you and your fiancÊ to view the site. Don’t procrastinate! Choice locations are often booked one to two years out, and prime

dates go fast. If you have no idea where to hold your wedding or reception, try hotels, banquet halls, restaurants, community centers and country clubs. Other less obvious options are country inns, mountain resorts, historic homes or mansions, city parks, college or university facilities, art galleries, and museums. Each location offers its own unique style and ambiance.
Types of Facilities Many locations provide the majority of services you will need for your reception: catering, beverages, tables, chairs, tableware, linens and serving staff, making them a very convenient option. They normally charge on a per person basis, and have a minimum guest requirement. Such locations include hotels, private clubs and restaurants.
Other locations offer the use of the facility only, providing no other services. You supply nearly everything yourself, paying a flat fee for the use of the site. The nice thing about off-site locations is the freedom to do everything your way. Increasingly popular for outdoor receptions is the use of party tents. They offer the ideal solution for couples who want to hold their celebration in a natural setting but would prefer not to have their guests wilting under a hot sun or melting under a drizzle. Amenities range from beautiful archways and parquet floors to air conditioning and emergency generators. In your search for the ideal site, keep in mind the convenience and comfort of your guests. The traveling distance from the ceremony to reception should not be much longer than half an hour by car. Depending on the season in which you

will wed, you might want to inquire about air conditioning or heating. Also, be sure to check on available parking or valet service.
Space Issues While it may seem obvious to say so, the venue you choose for your wedding must have enough space to accommodate all your guests. There should be enough room in the dining area to allow for comfortably arranged seating and a reasonable view of the newlyweds for everyone. There should also be enough space between tables for you to move around the room and mingle with your guests. The facility coordinator will know the maximum number of people who can fit in the space, as well as the best table arrangements.

Privacy & Entertainment Issues If your venue does multiple events, find out if there are other bookings at the same time or on the same day as yours. If so, ensure that there will be adequate privacy and separation for your party. There should also be ample time in between events to allow your caterer or other service people to set up or break down your party. Whether you intend to have a DJ or a band, enquire about any possible restrictions regarding the type, volume or duration of music. Be sure to confirm that there is an adequate power supply for speakers, mixers and amplifiers, or good acoustics for string and wind instruments. Some sites have built-in public-address systems which can be used for introductions and toasts. If your site of choice doesn’t offer this equipment, make sure your DJ or

First Impressions Your guests will get their first impression of your reception as they enter the building. But first they have to be able to find it. Clear signage indicating the way to the reception or cocktail area is a must. Whether your party starts with cocktails and hors d’oeuvres outside on the terrace, then moves indoors later on for the meal and dancing, or the entire celebration is held in one room, make sure there is adequate space to receive everyone and to serve your guests while they await your arrival. You don’t want a backlog at the entrance because the doorway is too narrow.

designated person to keep the event running on schedule. This key person may be a wedding coordinator, your caterer or the facility manager. They’ll be responsible for timing of the cocktail hour, prompting your guests for the meal, cueing the musicians for the first dance, and coordinating with the emcee for the champagne toast, cake cutting, bouquet and garter toss. If this person is affiliated with the facility, make sure you meet them and are comfortable with their style before you book.
Cost Considerations Rates will vary significantly depending on the type of location, the number of guests to be accommodated and the time of year. Generally, the fee for a room rental is based on usage for a specific period of time, usually four to five hours. If you anticipate your
reception running longer, confirm all additional charges. Typically these will be based on half hour increments. All of the details for your reception should be delineated in a contract to be signed by you and the facility’s representative. To secure your date, a 50 percent deposit is usually required, with the balance due on the day of the event. You may want to check on the refund policy in the case of a cancellation.
Down to Details As you find wedding locations that seem to suit your style, ask vendors about the following policies: catering, alcohol, bad weather, contingency plans, staffing availability, parking, decorating, deposits, refunds and insurance. Make sure you’re comfortable with the answers they give. k

Ask if they’re familiar with your reception site, how they transport the cake and how much time they need to set up. Veneers are a way to correct crooked, stained or otherwise unsightly teeth. A veneer is a little shell of porcelain that bonds to the front of the tooth. Sometimes simple bonding of a composite tooth-colored filling material can accomplish a limited task. In any case, the smile is improved, and people can change their whole demeanor if they are no longer afraid to smile. Different modifications to porcelain have overcome problems with strength, abrasiveness, accuracy, appearance, etc. Dentists are now successfully restoring
broken-down teeth with all-porcelain crowns and onlays that look indistinguishable from natural teeth and have great longevity. All-porcelain restorations seem to have “cemented” their place in the dentist’s repertoire. One way to brighten your smile inexpensively is to bleach. Most bleaching systems contain hydrogen peroxide or carbamide peroxide in some concentration. This removes stain from tiny cracks and fissures in the enamel of the tooth. Dentists can prepare a custom bleach tray with a higher concentration of the active ingredient. Finally “in-office bleaching” can be performed by the dentist. This requires isolation of the teeth with a thin sheet of rubber and a high concentration of the peroxide. Often the teeth are sensitive to temperature afterward and the cost is significantly higher. Bleaching provides a safe and fairly simple way of improving the appearance of a smile. ❦

One: Shop early. Ideally, start 8-12 months before the wedding. If you have less time than this, that’s fine too, but starting as early as possible will make the whole experience less stressful and pressured. Also, in the unlikely event that a problem arises, you will have more time to solve it. Another tip about when to shop: bridal salons are busiest from January through April, and Saturday is their busiest day. If it’s possible for you to shop on a weekday, you’ll probably find it to be a more leisurely, relaxing experience. Be sure to make an appointment, if required, to ensure one-on-one service while you’re there. Two: Expect great service. Most negative experiences revolve around service. If you’re not happy with the service you’re getting, move on. Also, your idea of great service may be quite different from another bride’s idea. Two brides-to-be had very different reactions to the same bridal salon: one loved the attentive, very involved service, and the other felt it was too confining and restrictive. So it’s not always about good versus bad service, but also about the type of service with which YOU are most comfortable. Three: Remain open-minded. In one survey, 40% of brides indicated that they ended up with a dress style completely different than what they had planned on buying. It is so important to try on a variety of dress styles, to see how they look on your body type, and to see how you feel in each of them. Be openminded to the suggestions of your sales consultant – they have a lot of experience to offer! Four: Be clear about your budget. Save yourself time and heartache, and be upfront about what your budget is – not only with yourself, but also with your sales consultant. And don’t forget about accessories and alterations! These two items can add up to a big part of your wedding attire budget. Five: Bring one or two supportive people with you. A large group of differing opinions can be overwhelming, so it’s best to keep the entourage to a minimum. On the other hand, having a couple supportive, helpful people with you can provide valuable feedback and suggestions. Do whatever works for you, and what feels most comfortable. Six: Get every detail in writing. Don’t leave the salon without a piece of paper that outlines every single detail, including the color, size, and style ordered, the deposit paid, and the estimated date of arrival. Two to three weeks after you order your dress, call the salon and verify that your dress was ordered, and that the estimated date of arrival has not changed. The bottom line is, if you’re having a stressful time shopping for your wedding dress, stop what you’re currently doing and make changes: visit a different salon, try a different time of the week, or bring different people with you. Or, just take a breather from shopping for a while! And remember, finding your dress is like finding your soul mate: sometimes they reveal themselves to us quickly and easily, sometimes they are more challenging to find, but we always find them in the end, and it’s always worth the wait.

Here Comes The Groom... complimenting the bride The attire of the groom, best man and ushers should complement the bride’s dress. The men need not dress identically. The groom’s selection will depend upon his coloring and build, the bride and her attendant's dress color and style, the season, time of day and personal taste. Darker colors have a slimming effect. Ties, cummerbunds or suspenders that are the same color as the bridesmaid's dresses will bring the entire wedding party together. If the men in the wedding party are identically dressed, you may wish to set the groom apart. A slightly different boutonniere or neckwear accomplishes this effectively. Consult a menswear professional for ideas and to discuss what is available and most appropriate. Tuxedos should be reserved three months in advance and all measurements taken at least
three weeks prior to the wedding. Out of town groomsmen can have their measurements taken at a men’s formal wear store near them and forwarded to the formal wear store through whom you have reserved your tuxedos. Rented formal wear usually includes a jacket, vest or cummerbund, pants, suspenders, shirt, cufflinks, studs and a tie. Usually, shoes are rented from the same store to maintain consistency. Find out when the tuxedos may be picked up and when they must be returned. Have all the men try them on a few days beforehand for last minute adjustments. The groom also has the option of purchasing his tuxedo or having it tailor-made. Purchasing a tux gives the groom a suit of permanent pride for other formal occasions.

The videography field has changed dramatically over the years and professional videographers have the technology, talent and time necessary to produce an excellent quality video, with clear audio; crisp, in-focus visuals; and snappy, efficient editing. (Besides, you want Uncle Bob to relax and enjoy your wedding – not work at it!) If you hire a good videographer, you’ll never even know when he or she is around. Watch a videographer’s sample
and they will fly by quickly. A wedding video will transport you back to that special day, in living color with real audio, and even let you catch special moments you would never have seen otherwise. And although you think you and your new husband won’t watch it much, if at all, wouldn’t your children and grandchildren love to see it? (Wouldn’t it be amazing to watch a video of your grandparents’ wedding?) The bottom line is, a professionally shot and edited wedding video is a priceless treasure to have, and you should certainly explore this option further. You may need to manipulate your wedding budget to accommodate this, but the end

Each will demonstrate your good taste and set the mood for your guests on this special day. Ceremonial music should suit the tone of the ceremony; romantic, sincere

or something unique to you and your fiancĂŠ. An evening reception will be livelier with a pianist or other instrumentalists during dinner and a live band or DJ later for dancing into the night. To find the right musicians, call a number of booking agents who represent the kind of entertainment you want. Determine how many performers you need and if the ones you are hearing are the same ones that will play at your wedding. Find out if you can make requests, or if they play only preset arrangements. What will the performers wear? Will it be in keeping with the flavor of your reception? How often, and for how long, do they break? Are you charged a flat fee or an hourly rate? Can the length of time they play be extended, or is it carved in stone? Make notes on all these important items, but the most important question is do you really like this group? Do you want to share them with others? Your good feelings about the group are probably the most important qualifier of all. Book your entertainment as early as possible. The best will be booked well in advance, up to a year is not unusual. Finally, two weeks to a month before the wedding, confirm the date, location, time of set up, and when the performance should begin.

Brides traditionally engage DJs to emcee their wedding reception while also providing a wide variety of music at the same time. But even if you book the Rolling Stones, they may not know New York, New York. A less obvious benefit of hiring an emcee is the personal touch he will impart to duties you won't have to deal with. A veteran wedding DJ will smoothly line up your wedding party and introduce them. He'll arrange to have champagne poured before the toast and keep a jittery best man on an even and eloquent keel. He'll emcee your cake-cutting and bouquet-throwing at the appropriate times. In short, he'll keep the show running smoothly while you're basking in the spotlight. The key qualification is experience, not price. Most DJs cost less than the hors d’oeuvres, though they're remembered far longer. It's not out of line to ask for references, though, he'll certainly select satisfied clients. The best idea is to arrange a meeting. Talk your DJ through his conception of your reception and see how your ideas mesh. Ask about musical selections, old and new. Don't be dismayed if he doesn't have obscure songs, but gauge his willingness to track them down. Ask about lights and sound (the best systems sound superb at background volume). If planning a wedding is a challenge, paying for it can be an even greater one. But don’t despair, here are some insider secrets to help you save money when you choose a full-service hotel as your reception site.
Menu Selection In comparison to a dinner buffet, heavy hors d’oeuvres or a station reception, a sit-down meal is frequently the most economical choice. Though many new brides assume that a hors d’oeuvres cocktail party will be the least expensive option, often the exact opposite is true. To host a hors d’oeuvres party at mealtime, you should provide 14 to 16 hors d’oeuvres per person. When all of the items are tallied, the total per person cost can be equal to or higher than a plated or buffet meal.
Time of Day Many hotels book receptions from noon to 5:00 p.m. or from 6:00 p.m. to midnight, and they may charge extra to host a reception that overlaps both time segments. To save money, choose one of these times. Better yet, choose the earlier time slot. Because evening functions tend to be easily booked, choosing the earlier time may give you negotiating power with the hotel, especially if their list price is the same for both time frames.
Time of Year The date you choose for your wedding may significantly affect reception cost. Peak months are April, May, June, September, October and November. Saturday evenings in December are generally reserved for holiday parties. Most hotels will refuse to negotiate prices during these prime months, and many

require a minimum budget be met in order to reserve the space. At other times of the year, however, hoteliers are usually more than willing to haggle.
Beverage/Bar The largest contributing factor to your overall reception budget is the type of bar you host. Generally, if you are considering hosting a bar for your guests for the full reception (four to five hours), the price can equal or even exceed the meal cost. Many times a hotel will offer an “open bar” package price. These prices are based on a fixed per person cost per hour regardless of the amount consumed. The advantage of the open bar is having a fixed cost to factor into your budget. Do not assume that you will save money by serving only beer, wine and soda. Many people will drink more beer and wine than mixed drinks. If you need to save money on your open bar, close the bar during dinner, and reopen after the meal. This way you will have bar coverage when it’s needed most.

Tie bow ties, provide stiff drinks if applicable or allowed and otherwise support the to-be-wed. Sign the marriage license as a witness. Hold the bride’s ring during the ceremony. Coordinate the ushers and make sure they are properly dressed and know how to seat the guests. Sits to the bride’s right at the reception, providing charming conversation throughout. May dance with the maid/matron of honor during the first dance. Propose the first toast to the newlyweds. Hold luggage under lock and key until the bride and groom depart. Help the groom change into going away attire. Escort the bride and groom to their limousine or drive them to the hotel or airport. Return all formal wear rentals on time, and to the correct formal wear shop— not the one three blocks away from the one you really rented them from. Assist maid of honor in transporting gifts to the bride and groom’s home.
