Registration Quick Tips

Make your online registration a success by preparing before you begin registering.

⋆ Choose your preferred options for summer camps and note the activity number associated with your choice. Activity numbers are show with each camp listed.

⋆ For online registration, go to “Log into your account” at pwcparks.info/login starting on March 4 at 8am. For help with online processing, review our “Online Registration Tips & Tricks for Success” below. Please note that households with an overdue balance from previous camps or classes must pay off their balance before registering a child for camp.

Online Registration: Tips & Tricks for Success!

⋆ Set up your account prior to registration. If this is the first time you will be registering for a camp or class, or have forgotten your User ID and/or Password, visit parksandrec.pwcgov.org. Here you are able to click on “create account” or Forgot User ID/Password” for help and follow the instructions. If you require additional assistance creating an account or retrieving your Login ID and Password, contact the Registration Office at 703-792-7060 or one of the camp sites.

⋆ Be prepared to register ON or after March 4, 2025. You will speed through the online registration process if you have the information you need at your fingertips. This is important as camps fill quickly.

⋆ Review your account prior to registration. Ensure all account information including family member names, birth dates, email and phone number are listed correctly. This is imperative as children who are found to be under or over the age restrictions of camp will not be able to register.

⋆ Know your username and password.

⋆ Know the camps and camp codes you want. Have secondchoice options ready in case you are waitlisted for your first choice.

⋆ Add a Class/Program to Wishlist. If there is a program or class you would like to save but are not ready to checkout, you can add the class/program to your wishlist and then add it to your cart at a later time. To do this, make sure you are logged into your account. Once you’ve clicked on the class or program, click the ‘Add to Wishlist’ button on the far right. ⋆ After you log in, use the Summer Camp menu to search for camps and read any important camp updates. To register for a camp, click on the Shopping Cart icon to the left of the camp name on the Search screen. If the camp offers extended hours, you will be asked if you would like to register for them.

⋆ Have your credit card information handy. Prince William County accepts Visa, Master Card and Discover.

Checklist for Full Day Camp Programs

Please complete all required forms in ePACT no later than two weeks prior to camp. If applicable, please make sure all medical forms are complete in ePACT and medication is brought with your child on the first day of camp. All campers should bring two snacks, lunch, drink and a water bottle to camp each day. Please pack sunscreen each day, if possible please apply sunscreen before your child comes to camp.

Unless otherwise noted, PWC Department of Parks & Recreation summer camp offerings operate with basic health and safety requirements but are exempt from licensure and have no direct oversight by the Virginia Department of Education.

Summer Camp Registration Deadlines:

Registration for all camps closes 14 days in advance of the first day of camp.

Payments:

Partial Day and Break Camps

■ Payment in full is due at the time of registration.

Full Day Camps

■ A non-refundable deposit of $50 is due at the time of registration. The remaining balance is due no later than 14 days prior to the start of camp.

■ Failure to pay the balance in full by the due date may result in your child being removed from the camp.

■ A $10 multi-child discount will be given to each additional child in the household who is enrolled in the same full-day camp program at the same location.

Cancellations & Refunds:

Partial Day and Break Camps

■ Cancellations made more than 14 days prior to the start of camp will receive a refund minus a $10 processing charge.

■ Cancellations made less than 14 days prior to the start of camp will result in a forfeiture of all fees.

Full Day Camps

■ Cancellations made more than 14 days prior to the start of camp will receive a refund minus the $50 non-refundable deposit.

■ Cancellations made less than 14 days prior to the start of camp will result in a forfeiture of all fees.

Transfers:

■ All fees (including deposits) are transferable with documented notice made more than 14 days prior to the start of camp (from which the transfer is requested).

■ Transfers requested less than 14 days prior to the start of the camp (from which the transfer is being requested), will result in a forfeiture of all fees.

■ Transfers are not guaranteed and subject to program availability.

All registration change notifications can be made by contacting the coordinating camp manager or via sites with a customer service front desk.

Staff/Counselors

We are committed to providing your child/camper a safe environment with caring and experienced camp counselors and fun filled days.

We hire those with a passion for play! In addition to the experience they bring, our staff receives indepth pre-season training that includes topics on behavior management, customer service, camp activity programming, risk management, and child development.

All counselors must be 18 years of age or older and have, at minimum, 6 months of experience working with children.

In addition to this training, counselors are also required to be certified in CPR, First Aid and AED. They must pass a criminal background and Central Registry Check as well as attend anti-harassment, blood borne pathogen and daily health trainings.

New for 2025 Automated Waitlists!

How Our Waitlisting Process Works:

If you are wait-listed for a camp, and become eligible for enrollment you will receive an automatic email notification. This email will contain a link to accept or reject the enrollment via your WebTrac account.

If you accept the enrollment, you will be prompted to complete the registration and payment process. You will not be able to enroll without completing this step. Failure to accept or reject the request within 72 hours of receipt of the first email will result in an automatic rejection and removal from the waitlist.

Direct Link

The waitlist process will close 14 days prior to the start of the camp, after which time registration is not guaranteed. Additional details on the automated waitlist process can be found here.

To ensure that you receive waitlist emails, please be sure to verify your email address in RecTrac.

When you view the Camp Guide online at pwcparks.info/camps, the name of the program is now linked directly to that specific registration page!

Simply click on the name and that registration page will open.

Child Records & Registration

Prince William County Department of Parks & Recreation utilizes an online system to maintain medical, emergency and participant information for all day camp programs.

ePACT is a system that is designed to create efficiencies for both customers and staff in maintaining confidential information in a secure and safe manner. ePACT maintains the same levels of security as online banking, and limits access only to the administrators who have been assigned privileges.

Through ePACT, you will be able to create/update your own accounts, upload and complete the required forms giving DPR the necessary information for your child(ren).

ePACT allows administrators quick access to pertinent participant information, contributes to more “green” programs by decreasing the need for paper copies, and provides staff with a variety of ways to communicate with parents/guardians regarding program updates, alerts, and requests for information.

After registering for your desired program, you will be sent a link to access the ePACT system. Through this link you will be able to upload and complete forms including necessary medical information, emergency

contacts and any special needs your child may have. ePACT is also available in Spanish.

In order for your program registration to be considered complete and for your child to participate, you will need to:

• Make any payments related to the programs you have chosen

• Ensure you have received a receipt of registration.

• Create an account with e-PACT

• Complete and/or upload the necessary forms associated with the program you registered for

• Continue to make changes, as needed, to your family’s account

• Verify email and phone numbers

Programs with this icon are state licensed and require copies of Health/ Physical form, Age Verification (original birth certificate) and vaccination records prior to child attending camp.

What is your policy on allowing parents to stay and observe camp?

Often parents or guardian’s presence during camp can be distracting for some children as well as staff. For this reason, we prefer parents/guardians not stay.

Quick reference for Payments, Refunds and Prorating: Partial Day and Break Camps: Payment in full is due at the time of registration. Can I purchase an extra camp T-shirt?

Each Full Day Camper will receive one T-Shirt per summer per registered camp location. These shirts are to be worn on field trip days. Please ask the camp manager regarding additional t-shirts for purchase.

Can we switch from one camp program/location to another?

Do I have to sign up for the entire summer or can I choose specific weeks?

Committing to a full summer of camp is not required. Participants can choose specific camps or weeks that interest them.

Do you offer Before and After extended care options?

What are the fees?

Extended before and after care is offered for full day camp programs. The hours for extended care are 7a-9a and 5p-6p. Morning or evening extended care costs an additional $30 per week. If both morning and evening care are needed, the cost is an additional $60 per week. Registration and payment for before and aftercare are due 14 days prior to camp start date.

Will campers be going on field trips this summer?

Yes! Full day camp programs will be offering field trips and/or an on-site specialty program. Information regarding field trips/specialty visits will be communicated through the camp newsletter.

We are unable to provide refrigeration or access to a microwave for camper’s lunches/snacks. Generally, lunch is held between 11a-12noon. Meals are not provided unless there is a special event scheduled that will include food. Campers should bring 2 snacks and 2 drinks, lunch, and water bottle to full day camps each day, and 1 snack and water bottle to partial day camps.

What about swimming?

Swimming is offered at some of our full day camps. Swim days, times, and locations will be communicated through the camp newsletter. All children in PWC Department of Parks & Recreation summer camps will need to pass a swim test before getting in the water. This will determine areas of the pool they are allowed to access and if they need a life vest. More information can be found in the Parent/Guardian Handbook.

What if my child has a disability?

The Department of Parks and Recreation offers inclusion-based programming. Please find more information on our Inclusion page or contact Veronica Laughman, ADA Coordinator: vlaughman@pwcgov.org. Complete and submit the Inclusion request form.

If I am not registered for Before Care, how early can I drop my child off?

Campers who are not signed up for extended care should be dropped off between 8:45a-9:00a and picked up at 5:00p.

How do you handle inclement weather (heat and rain)?

All camp locations have inclement weather policies and Emergency Action Plans. Indoor spaces are available at all locations. In case of extreme heat, activities are modified and outdoor time is limited.

I am wait-listed, what happens now?

If space becomes available, and your child becomes eligible for enrollment, you will be notified via email regarding the opportunity to register and provided directions on completing the registration and payment.

Join PWC Parks for “Summer Camp Preview”, a camp registration prep event. Prince William Parks & Recreation Camp Staff and staff will be onsite to assist with any questions you may have.

During this event, parents and guardians are invited to:

• Stop in and speak with staff regarding any registration/questions

• Get one on one assistance creating and/or updating your RecTrac account

• Learn how to add household members and other useful information to your RecTrac account to ensure you are fully prepared when registration opens

• Hear from Camp Counselors about new and exciting camps

• Ask any camp related questions

• Get advice on which camps are best for your family to register for

Apply Today to be a Counselor in Training (CIT)

The Department of Parks and Recreation’s Counselor in Training (CIT) Program assigns youth volunteers to summer camps at Silver Lake Regional Park (Camp Silver Lake), Locust Shade Park (Camp Wingapo), and the Sharron Baucom Dale City Recreation Center (Blast Camp, Scamper Campers, and Afternoon Adventures). Applicants must be at least 14 by June 23, 2025. Camp hours are 9:00am – 5:00pm Monday-Friday. Campers are aged 6-12 and participate in activities such as arts and crafts, sports, and more. CIT’s assist counselors and the camp director with daily activities such as preparing arts and crafts projects, supervising and assisting campers with activities, and serving as a good leader and role model. Scamper Campers and Afternoon Adventures are half-day camps and operate Monday-Thursday. Volunteering as a CIT is a fun way to gain experience working with children, a sense of responsibility and leadership skills.

WHAT DOES IT MEAN TO BE A CIT?

A Counselor-In-Training assists the camp counselors with:

• Drop off and pick up supervision

• Planning, preparing, leading, and cleaning up of activities

• Interacting with the children

• Ensures the children’s safety at all times.

A COUNSELOR-IN-TRAINING IS A(N):

• Valuable volunteer because of the service he/she provides

• Organized volunteer who does his/her job well

• Leader who helps with the program activities

• Understanding friend to the participants

• Needed member of the camp community

• Trustworthy volunteer

• Energetic source of leadership

• Eager worker

• Reliable source of help

Inclusion Programming

The Prince William County Department of Parks & Recreation is committed to serving the needs of everyone in the community through inclusive programming by providing an atmosphere in which persons with and without disabilities can interact, play, and socialize with their peers in an all-inclusive, supportive environment. Requests for modification must be received at least 21 business days prior to the start of the desired camp program in order to allow time for the modifications to be put in place.

Our weekly themes will excite your child and have them using their imagination and exploring different things. Aloha to Summer Most of us go to the beach for the summer but what if we brought the beach to you? Go exploring under the sea with us to see all the fascinating friends of the ocean. This week is full of ocean themed activities that make for a fun ocean friends camp.

Please note: pointe work will only be included for dancers already approved for and trained in beginner pointe. Veterans Park Summer Camp will provide an entertaining, safe, and enjoyable environment for your child.
