4. Sales Meetings Sales Meetings are held every other Wednesday at 9 a.m. at our Park Shore Office on Seagate Drive. Parking is permitted directly across the street at Waterside or at Kunjani coffee shop in the event parking is not available at the office. The meetings feature special guests and discuss upcoming events, the latest trends in our local real estate market and other information relevant to the growth of your business. The schedule can be found under Office Announcements on the RAVEIS 365 homepage.

appFiles procedures

As a real estate sales associate with William Raveis Real Estate, you are required to provide your broker with copies of all contract related documents and disclosures within 24 hours of the documents being signed by your customers so the broker is aware of the transaction and can retain these documents in the broker’s records All documentation, including but not limited to, a sales contract, buyer agreement, listing contract, an amendment to a sales or listing contract, buyer or seller disclosures, William Raveis internal forms, a commission verification estoppel, and any other document required to be used by William Raveis Real Estate, or which may require broker signature, should be submitted electronically to your Administrative Manager through appFiles, using the simple 2-step process below. Step 1:

Create a “Ready for Review” section in your customer appFile. This is equivalent to creating a file folder to place your documents in so that management can readily locate documents within your customer appFile for review and/or to forward for signature; and

Step 2:

Change your customer file type to “Ready for AM Review.” This is the blue pencil icon at the top right-hand side of your customer appFile located beneath the file name. Click on the blue pencil to edit your file information by scrolling down the drop-down menu to the Office Inbox, select “Ready for Review,” and click the green button at the bottom to save the change in your file status. Please check to be sure the “File Type” shows “Ready AM Review” when you have completed this step so that your Administrative Manager, Sales Manager and Broker will be automatically notified that you have submitted important documents on a pending transaction for the Broker file, or have documents which may need to be signed. If you do not change the file status of your customer appFile to “Ready for Review,” then nobody will be notified that you are submitting a document for the broker’s file or are requesting the broker’s signature on a document.

Helpful Reminders and Suggestions

1. Be sure customer appFile includes customer name and property address 2. A new customer appFile should be opened for each “transaction,” such as a listing or a sales contract, just as you would do with a physical file 3. Blind copy “bcc” your customer appFile by copying the “file mailbox” on all email communications external to appFiles to retain all communication of your transaction in one centralized location in your customer appFile 4. Create an “update” to retains notes of your conversations with your customer, or to send an update to your team member, Administrative Manager, Sales Manager or Broker (but to do so you must select the checkbox for the appropriate individual) 5. Customer support is available through appFiles by telephone or email should you have any problems or questions. Click the orange button on the top right-hand side of your home screen 6. There are several training videos available on the appFiles homepage which you can view by clicking the blue arrow button on the top righthand side of your home page 7. Do not delete offers or counteroffers even if a final sales contract is never agreed upon. Change the file status to “Dead Offer,” but keep all records of the transaction in the customer appFile.


6. Raveis.com: Your Recently Sold Properties & Bio on Raveis.com Feature properties you’ve sold within the last 5 years on your Raveis.com website

Complete the excel spreadsheet of your recently sold properties within the last 5 years and email to support@raveis.com. They will input them to appear on your Raveis.com website under the Recently Sold tab. The spreadsheet can be found in the RAVEIS LIBRARY in the ONBOARDING folder. Update your agent bio page with customer testimonials, personal videos, education, achievements, professional associations and more.

Edit your Bio by clicking on the MyRaveis.com tile on the RAVEIS 365 homepage.


7. Getting Started: Sphere of Influence Upload at least 100 contacts to your Customer Database in MoxiWorks in Engage. These contacts can be anyone in your sphere of influence (e.g., personal friends, neighbors, previous co-workers, close and extended family). Complete the Import Customer Template excel spreadsheet with customer contact information. The excel spreadsheet can be found in the RAVEIS LIBRARY in the ONBOARDING folder. First name, last name, email, town and state are the required fields. Contact our Regional Technology Specialist if you would like assistance with uploading your contacts into your database.

14. Floor Time Floor time is offered to agents at the Seagate office, Gulf Shore office, and 850 5th Avenue South office locations. If you are interested in participating in floor time, please contact the Administrative Manager at the office to schedule time to review the training and requirements.


15. Conference Rooms Agents have access to the conference rooms at all office locations. If you would like to reserve the conference room you can sign up with that office Administrative Manager to see if there is availability and to put you on the schedule.


16. NABOR (Naples Area Board of Realtors) Required Training New Agents – NABOR Orientation, MLS training (required for MLS input), Supra eKey. For more information and to register for classes visit www.NABOR.com or call 239.597.1666. NABOR & MLS Dues NABOR – Annual dues (does not auto pay even if you have a credit card on file, must manually pay online or over the phone). MLS – Bi-annual dues (if you place a credit card on your account, these dues can be auto paid). How to set up a credit card on NABOR.com 1. Visit NABOR.com 2. Select the green pay online button 3. Login with your MLS ID and Password 4. Select Edit next to My Profile 5. Select the Card on File tab 6. Add card If your current card on file has expired, you must click Delete Card on File and then add the new credit card information Continuing Education Requirements Follow the below instructions to see when your continuing education credits are due. 1. Visit www.myfloridalicense.com 2. Log into your account 3. Select your license 4. Select View My Continuing Education

NAPLES AREA BOARD OF REALTORS® Here’s How to Update your Member Profile on NABOR.com with the New and Easy Format! When you update your profile on NABOR.com with the new format, your profile on NaplesArea.com and Matrix roster will be updated simultaneously! We have made it very easy for you to: • • •

Upload a new photo, refresh your bio and list the languages you speak Change your email address, password, phone number or home address Store a credit card to auto-pay your MLS fees

Follow these quick and easy steps: STEP 1: Go to NABOR.com and select the blue icon UPDATE PROFILE (see red arrow on the right). STEP 2: Sign in on NABOR.com with your MLS ID and Password. Both are case sensitive including the letter N in your MLS ID. STEP 3: Select MY PROFILE under the MEMBER TAB at the top of the home page.

STEP 4: Edit all the fields under the PERSONAL

before moving on to another tab.


STEP 5: Select all the languages you speak under the SKILLS TAB.

STEP 6: Store a credit card under the CARD ON FILE TAB to pay your MLS fees.

STEP 7: Upload your photo under the PHOTO TAB.

Make a good impression. Refresh your profile on NABOR.com regularly. Your profile is a valuable marketing tool that can help you connect with those who view your profile and build relationships with them to create new business opportunities.


17. Open House and For Sale Signs William Raveis Open House signs can be purchased for $35 each from the administrative manager. Generic directional open house signs can also be purchased for $15. The use of any non-approved Open House sign is prohibited

CITY RULES !! Only 1 sign can be used! No directional signs permitted! Fines apply for violations.

Open House table top display boards can be ordered online. Ordering instructions can be found by going to RAVEIS LIBRARY, OPEN HOUSE MATERIALS, TABLE TOP DISPLAY PANELS.

For Sale signs can be ordered through your office Administrative Manager. Proofs will be sent to you for approval before ordering. There is no charge to the agent for For Sale signs. Oversized For Sale signs, Raveis will pay up to $100.00, agent is responsible for the remainder of the cost if more than $100.00.

City of Naples – agents are responsible for installing signs (posts are in storage at each office) County – post and sign are installed by sign company Both the City and County have very strict sign policies. Rules and common violations can be found in the RAVEIS LIBRARY in the CITY AND COUNTY SIGNAGE RULES folder.

Once a listing has been entered in MLS it will take 24-48 hours to appear on Zillow and Trulia If you have a listing that is NOT to appear on Zillow or Trulia, you must email support@raveis.com to opt out o Your Raveis email must be associated with your Zillow and Trulia accounts or your listing and contact information will not feed properly o This is the way the 2 systems recognize each other Raveis.com sends open house information from MLS to Zillow and Trulia When inputting a listing into MLS do not check Zillow in the Internet Sites section
