ERP THE NEW BEGINNING EVERYONE AT PWANI HAS BEEN PART OF THE ACTION WHILE WE ARE UPGRADING OUR OPERATING PLATFORM TO ORACLE. ON 1ST NOVEMBER 2012 WE WILL ‘GO LIVE’ LEAVING THE CURRENT PASTEL SYSTEM IN THE ARCHIVES. THIS TRULY IS A NEW BEGINNING AND A JOURNEY THAT WAS CONCEIVED WAY BACK IN JUNE 2010. A LOT HAS HAPPENED DURING THIS TIME AND HOURS OF WORK HAS BEEN INVESTED BY MANY TO ENSURE WE HAVE A SOLID FOUNDATION TO OUR OPERATING SOFTWARE. .This new beginning will change our old working habits & processes; we will all need to adapt a new way of working which is much more process and procedure driven. With Oracle there are no short cuts, the only way is the right way! This is not going to be without its pain but ask any woman if giving birth to a new child is pain free, this is metaphorically what Pwani is doing. So at Pwani it continues to be ‘all change’ and that is what we are now used to. This is Pwani life! where we bring out the best version of ourselves.

It has been an interesting newsletter which makes me feel like reading more and it doesn’t bore me especially the previous newsletter.

Let me talk the truth to ashame the devil, the new Fresh Fri container has a good shape and its labels attract our naked eyes more especially when it is arranged well on shelves. However I am urging our domestic sales also to go across our country for more road shows especially south coast (Kinango) to enlighten people about the new Fresh Fri. Last but not least, Editors team, continue with same spirit and maximum co-operation to avoid challenges for the better development of our Company and Products. God will bless you too. Excellent! Last month’s edition was a good one but I did feel that it was slightly biased. Have you forgotten about the Pwani men? THE FINAL MILESTONE… ALMOST THERE:

END USER TRAINING It has been a very long journey for ERP. However, we’re almost there. Before we are there, we need to train all those who are going to use the system. This is one of the most crucial parts in the implementation of the project. It has always been known that it’s one thing to turn on the software, but it’s quite another to be sure it actually gets used by employees. Yes, the project could overcome all technical challenges but Pwani won’t see a positive Return On Investment until the users become well trained and competent. Thus, this is among the most crucial thing to do before rolling over to ERP.

The training started on the 10th of October and it’s taken approximately a week and half across all modules. To make it even better, our Super/Key Users were carrying out the training across all the 3 locations in Pwani. This has helped build in the confidence in them to ensure the cross-over to Oracle is smooth and effective. A great amount of thirst for knowledge and all that 3. Oracle has to offer was seen among the end users which kept the going very interesting and engaging. It has been an exciting time for Pwani through out the ERP implementation. Better still, more exciting times are coming when we ‘Go Live’ in the next few days.

In summary, there were 3 major benefits of the End User Training to the employees: • Allow employees to be well informed about the new system and its impact on their jobs. • Give them the tools necessary to do their jobs in a new way when the system goes live. •

Train them to use the new system effectively.

PWANI GETS CERTIFIED FOR FOOD FORTIFICATION by Marketing Team The launch of scaling up food fortification Food was held on 9/10/12 by the Ministry of Public Health and Sanitation in Some of our Nairobi. Among the private Company’s present were: fortified products • Pwani Oil • Kapa Oil Refineries and the logo. • Pembe Maize Millers & Unga Ltd • United Millers The food Fortification Logo is a sign that processed food contains one or more essential nutrients that might have been lost during processing and an assurance by the government that the nutrients are actually added as specified on the label. This Logo will be marketed by (PSI) through TV, Radio commercials, print & Billboards to educate the public on the importance of good nutrition and how they can identify foods that are fortified. All our oils and fats are now fortified and have the logo on the label. | A PUBLICATION OF PWANI

Thank you team, for managing a very successful KRA audit. As a corporate entity, we at Pwani are expected to effectively and efficiently manage various resources entrusted to us by various interested stakeholders. Stakeholders include the shareholders, Employees, Consumers, Suppliers of goods and services, the Government and the entire society whom we interact with on a daily basis as we go on with our business.

In the month of September, 2012, one of our Key stakeholders, the Kenya Revenue Authority (KRA) decided to pay us a visit and perform an in-depth audit on all our operations for each of our financial years starting from 2008 to date. The audit objective was to ascertain our level of compliance with statutory taxation requirements. The audit involved a lot financial analysis, preparation of supporting schedules, explanations of various transactions and availing all the documents as and when required for the five years in question. Having in mind what it takes to be fully prepared for a task of this magnitude, the entire Finance department started preparing for the eventual audit way back in May 2012. As a member of the Finance Team, I feel indebted to each and every finance team member, both individuals and the team as a whole. In my decade years of experience, I have not personally come across a group of individuals, bound together by a common purpose, putting everything aside and working tirelessly together | A PUBLICATION OF PWANI

to deliver a single common goal. This is exactly what the entire finance team did to ensure a smooth audit. Though the final position has not been determined, The KRA team was happy with the level of information flow, supporting documentation and analysis given to them. It will also be unfair if we don’t pass a vote of thanks to those departments to whom we were not able to provide effective financial services during this period and especially domestic sales, production, logistics and other support teams who collectively delivered a record in sales volumes during the month of September 2012. Fire Prevention is Better than Fire Fighting by Gilbert Mariaka

Continuous improvement is the most powerful concept to guide management. In occupational safety and health, this is derived from the development of a safety culture in an organization. Safety culture is a set of beliefs, norms, attitudes, roles and social and technical practices concerned with minimizing exposure to dangerous or injurious conditions.

As a company that puts safety first, we recently had a fire fighting training which was held at our Kikambala factory from 2-4th of October, 2012 and 25 fire marshals graduated. (2 from HO, 11 from Jomvu and 12 from Kikambala). The training lasted for 3 days was conducted by Mr. Wambayi and Mr. Oyieke both from Micas Limited - a safety consultancy.

Fire safety is a major part of EHS management. Fire accidents are devastating and negatively affect both employees and businesses. The graduation was officiated by The Director of Operations Mr. Riten, who said he will be expecting the 5. best results from the trained fire marshals.

The enactment of the Legal Notice 59, the Fire Risk Reduction Rules, 2007 laid down the basic minimum on Fire Safety. The notice requires that every (Occupier) must establish a firefighting team to respond to fire emergencies and also train their workers on fire safety.

EHS department will influence fire safety awareness and preparedness in Pwani. Mr. Obanda who was the chairman of the class says “It is essential for all of us, irrespective of our duties, to be trained on fire safety. I believe in the slogan “Know fire safety, no pain, no fire safety, know pain”. When you know fire safety, you will enjoy the fruits of duty…” It has always been said that “Prevention is Better than Cure”. At EHS we say, “Fire Prevention is Better than Fire Fighting”.

Tips and Tricks for Stress Free Home Management

• Plan a weekly time-table for cooking so that when you reach home late after work you don’t have to stress on thinking what to cook. • Have ginger, garlic, tomatoes, etc. crushed and frozen in the freezer. Have them divided into portions so it’s easy to pick when cooking. Also have your veggies boiled and frozen too. This makes cooking hassle free. • Place a few teaspoons of baking soda in an open bowl and put it in the fridge. This will help absorb all the unwanted smell. Similarly, use for microwaves. • Before going out for shopping, prepare a shopping list and the trick is to stick to it. This will avoid impulse buying and save you heaps when it comes to your wallet.

• Hate the smell when you open your main door at home? Simply place ground coffee in various locations at home to keep nasty odors out of your home. • For carpet cleaning, sprinkle some corn starch onto 7. the carpet; allow it to sit for 10-20 minutes before vacuuming. This is good for drawing out oily spots on your favourite carpets. • Use toothpaste to remove those accidental pen marks on your handbag, and next time ensure your pens have their caps on. • Your shoes losing shape? Stuff old news papers when storing your shoes to avoid them lose their shape. Never put shoes on top of the others. Store them flatly. • Fold items neatly in the drawer and group them by type, e.g. socks, handkerchiefs, scarves. This avoids the messy dig ups when you’re looking for something that you just cannot find. • Your baby toys are all over the house and drive you nuts? Simply create a ‘favourites’ bag for the small toys that your child likes most. You can use a mesh laundry bag or any fabric bag with a loop/handle. This makes it easy to move around too with the toys. • Use lemon peels to clean your chopping board to remove odors especially when preparing fish. Lemon juice is also a great substance to clean and shine brass and copper. So don’t throw the peels away! • Zesta Vinegar is one of the handy things that you should never ever miss out to use at home. It’s more like an all-purpose cleaner. Just mix a solution of equal parts of water and vinegar in a spray bottle and have the solution clean most of your home areas such as sinks, bathtubs and stove tops. Funny enough vinegar is commonly used as a fabric softener (seriously?) Just add ½ a cup of vinegar to the rinse water instead of your bought fabric softener!
