Internet service "Conference Website" containing the main topics, preliminary program, Registration fees, Accommodation & registration package, Abstract Submission & Registration online.
Hotels Reserving the conference venue:Accommodation for Sp. & ch. From outside Cairo and conference participants. Selecting the suitable conference halls according to the time schedule and distribution of different sessions. Management of the exhibition and poster areas (design plan for each). Banquet. Reviewing conference arrangements with the hotel staff Reserving some hotels near by the venue of the meeting which are cheaper.
Updating the Website & the personal program for Speakers & chairpersons. Personal communications with the head of the Cardiology Departments all over Egypt aiming at: Recent Egyptian research that should be presented during the conference. Egyptian Registries and surveys. Collections of interesting & rare cases to be presented.
Approach to the program faculty by their suggested topic(s) and following up with them to early detect any cancellations or apologies. And keep the conference chairmen posted. Sending the personal program for each doctor including the whole session(s) "he / she is participating in to assure no repetition to occur from presentation to another". Sending also the audiovisual instructions together with the hotel reservation data for participants from outside Cairo. One month before the congress, starting weekly phones, SMS and emails to remind them by their exact role and social events. Coordinating Post-Conference Activities.
Companies' Contribution Organizing a meeting between the conference board and the head of the pharmaceutical & Medical Instruments companies in order to:Inform them about the conference venue, date and what's new in the scientific program? Obtaining the Agreement of Cosponsors. Preliminary financial contribution of each company. Company Symposium. Finalizing the financial deal with the pharmaceutical & Medical Instruments companies.
Fund Raising Preparing a tentative budget. Finalizing the budget.
Conference Publicity & Publications First & second announcement. Designing & printing the Conference logo, Head letter, theme & poster. Final Program. Invitations, certificates of attendance, badges, envelopes & congress bags.
