7.1 Using the TrialDirector Presentation Module The TrialDirector Presentation Module allows you to display items that have been loaded and annotated in the Case Library or Document Manager tabs. Click the Presentation mode button on in either the Case Library tab or Document Manager tab to begin the process.

When you first enter presentation mode, the screen is black, except for the Toolbar along the bottom of the screen, to eliminate distractions to the audience or jury.

69

To exit from Presentation mode, back to the Document Manager, press the ESC button once. The following prompt will appear: Select ‘Yes’ to go back to Document Manager. Select ‘No’ to remain in Presentation mode.

In Presentation mode, items can be loaded and displayed using the following methods: 

Type the Item ID, Exhibit number, or Trial Exhibit number.

Scan the barcode associated with the item.

Drag and drop items from the primary screen to the secondary screen.

Step through the contents of a Workbook.

The display is divided into nine zones. Exhibits are moved in and out of these zones during Presentation. If no zone is specified, the exhibit will appear in the default zone (Zone 9). The default mode is the Replace Zone mode. In the Jones v. Smith case, open BK000054 in the default zone by typing BK000054 and pressing Enter. The following appears:

70

There are three indicators that may appear in the lower-right corner of the display: 

Replace Zone mode: This indicates that Replace Zone mode is the active mode. When the blue arrow is active, you are in Add Zone mode.

Item Load Status: A green circle indicates whether or not the item is loading to the designated zone. A red circle indicates the item cannot be found or there was a problem loading the item.

Select Zone Indicator: This indicates the zone(s) in use and highlights the active zone. A zone must be active for projections or markups to be used. Replace Zone Mode Select Zone Indicator

7.2 Using the TrialDirector Presentation Zones The following zones can be used for displaying exhibits while in the Presentation module:

   

Zones 1 and 2 split the display vertically. Zones 3 and 4 split the display horizontally. Zones 5, 6, 7 and 8 provide quadrants. Zone 9 uses the full display.

Keyboard Support Since you may not always have a barcode wand available to scan commands into TrialDirector, certain keys on the keyboard can be used instead of the barcodes. F1-F9

Each zone is associated with its corresponding function key (i.e., F1 = Zone 1, etc.). Pressing one of these function keys will activate the corresponding zone.

F10

TRANSFER ZONE - places you in the transfer zone mode, which allows you to transfer items from one zone to another.

F11

ADD ZONE - places you in the add zone mode in preparation for selecting new zones to add items into.

F12

REPLACE ZONE (default) - places you in the replace zone mode, which allows you to replace an item in the specified zone with the new item.

Click and Drag to move zone

To use the Click and Drag to move zone, carefully float your cursor over the tool. You should notice your cursor changes to a four-sided arrow. You then single-left click and hold the left mouse button down while dragging to the position on the screen you wish the item to be moved to. You will notice the zone indicator at the bottom right corner of the screen outline is white in the area on the screen before you release the mouse. This gives you a guideline as to where the item is to be moved.

Exercise #14 Present BK000054, using the Click and Drag to Move Zone button, move this item to Zone 1, or the left-hand side of the screen. Then, using the keyboard commands, activate Zone 2, or the right-hand side of the screen, and present BK000448.

73

Using the Transfer Zone Control You can also move the items around the display using the Transfer Zone control to send items from one zone to another. This option involves using only keyboard commands to move and transfer your items. The steps are as follows: 1. Activate current zone by selecting the corresponding Function key; 2. Select the Transfer Zone Control key (F10); 3. Select new zone to move the item to by selecting the corresponding Function Key.

If you want your item in Zone 9 to be moved to Zone 2, follow these steps: 1. Present BK000054 then send BK000054 in zone 9 to zone 2 by pressing F9, then F10, then F2. The full document scales down and moves to the right side of the display. 2. Open BK000448 in zone 1 by pressing F1, then typing BK000448 and pressing Enter.

The new item opens on the left side of the display.

3. To move to the next page of the document in Zone 2, activate Zone 2 and select PAGE DOWN. 4. Continue this process to see the items move. Notice that the item in the active zone moves to the inactive zone, replacing the previous page and allowing the next item to be displayed in the active zone.

74

Using the Replace Zone Control If you want to change the items in one zone without affecting items displaying in another zone. Follow these steps: 1. Open BK000054 in zone 1 by pressing F1, typing BK000054 and pressing Enter. 2. Open BK000448 in zone 2 by pressing F2, typing BK000448 and pressing Enter. 3. Replace BK000448 in zone 2 with BK000452 by pressing F12, then F2 and then typing BK000452 and pressing Enter. Notice how the new item loads to zone 2 and leaves the item in zone 1 in place. 4. Move to the next page of the item in Zone 1 by pressing F1, then press PAGE DOWN. The exhibit will remain in zone 2 as you move from page to page. 5. Press ESC to clear the display.

Exercise #15 Present item BK000027 in Zone 1 and present BK000454 in Zone 2. While maintaining the item in Zone 2, Page Down through the document in Zone 1.

The Presentation Toolbar is dynamic and fully customizable. Buttons can be added and removed, or rearranged at will. Buttons can be rearranged by dragging and dropping to the desired location on the Presentation Toolbar.

76

Positioning the Toolbar (Floating/Detaching and Docking/Reattaching) The Presentation Toolbar can be detached, repositioned, and expanded to display a tool palette. If a secondary monitor is enabled, consider detaching the toolbar and moving it to the secondary monitor to keep jurors' attention focused on the exhibits shown on the primary monitor.

To detach (float) the toolbar: 

On the Presentation menu, point to Toolbar, and then click Detach Toolbar. Click on the left end of the toolbar and drag it to any location on the screen, or to a secondary monitor (if enabled).

To display or hide the expanded palette:  

While the toolbar is detached, click the button on the far right to display the expanded palette. Click the button at the top right of the palette to hide it and return to the detached toolbar.

To reattach (dock) the toolbar: 

On the Presentation menu, point to Toolbar, and then click Reattach Toolbar.

Saving and Loading Toolbar Layouts Presentation Mode automatically preserves your changes to tool settings (such as color), and the Quick Access Toolbar between sessions. However, if multiple users share one computer or you want to use different toolbar configurations with different cases, you should save the toolbar layout and load it when needed.

To save a custom toolbar layout: 1. On the Presentation menu, point to Toolbar, and then click Save Toolbar Layout. 2. In the File name box, type a name for this toolbar layout. 3. Click Save to save the current toolbar layout as a (*.ttb) file.

77

To load a saved toolbar layout: 1. On the Presentation menu, point to Toolbar, and then click Load Toolbar Layout. 2. Select the saved toolbar layout (*.ttb) file. 3. Click Open. Restoring the Default Toolbar Presentation Mode automatically preserves your changes to tool settings (such as color), and the Quick Access Toolbar between sessions. However, if needed, you can restore the toolbar to the default settings. Caution: Unless you save the current toolbar layout first, all changes to tool settings and the Quick Access Toolbar will be lost.

To restore the default toolbar: 

On the Presentation menu, point to Toolbar, and then click Restore Defaults. The toolbar is immediately reset

78

7.4 Removing Annotations in Presentation Mode Using the annotation tools in Presentation mode does not prohibit the user from removing them at any time. The following describes a few methods of effectively accomplishing this task.

Using the Remover Tool As discussed in the previous section, one may use the remover tool to remove any annotation during Presentation mode. To do this, select the remover tool. Notice that your cursor has changed in appearance to reflect that the remover tool is active. Single left-click on the annotation you wish to remove. The annotation will disappear.

Using Keyboard Commands

Removing annotations during Presentation may also be done with simple keyboard commands. Use the keyboard combination of Shift + right-click on any annotation made in Presentation to remove that annotation. Use the keyboard combination of Shift + left-click and hold the left mouse button down to allow the annotation to be dragged around the screen and repositioned in another place on the item. You may also use the Alt + E to erase all annotations that appear in the Presentation.

Exercise #16 Present any item in Presentation. Highlight a portion of that item, then move that highlight to a different position on that item. Remove the annotation completely.

79

7.5 Saving and Loading Stages As you work in Presentation mode loading exhibits into zones and using tools as needed, your work area serves as a stage that shows jurors everything you do. Setting up this stage and saving it prior to your courtroom presentation can prevent mistakes and save time. Unlike screen snapshots, this feature saves the layout of the actual exhibits. Simply load a saved stage and begin playing video, page through a transcript, or do anything else you would normally do in your presentation. You can save as many stages as needed and load the stage you need at the right time from a list in Presentation mode. This feature also comes in handy when your presentation is interrupted. For example, if court breaks for lunch, use Save Stage so that you can quickly return to where you left off when court resumes. Note:  

Because a saved stage retains the history of actions that you did prior to saving it, you can use the Undo and Redo buttons to step backward and forward in the presentation. Consider setting the folder prefix (in Presentation Preferences > Tools) to the current date at the beginning of each trial day. This will enable you to locate the stages saved for each day of the trial more easily.

To save a stage 1. Load, position, and annotate your exhibits and/or other items in Presentation mode. 2. From the Application Tools, click the Save Stage button.

The stage is automatically saved to a SaveStage folder in the location where the case is saved. (You can find this path in Case Properties.) Each saved stage is assigned a name with a prefix and the next number in sequence (i.e. SaveStage-000001, SaveStage000002, etc.) You can set the prefix in Presentation Preferences > Tools.

To load a saved stage 1. Use the Navigation Tools to select the SaveStage folder. 2. Select the stage you want to load, and then click the green button.

80

7.6 Using Presentation Preview During Presentation you can preview your exhibits and any corresponding annotations before showing them live in presentation mode. This allows you to see how the exhibit will look and to select the area you want to work with before you display it live in presentation mode. Presentation Preview can only be used with TrialDirectorâ€&#x;s Presentation Mode being configured for multiple monitor display. Presentation Mode must be displayed on a secondary monitor or projector.

As you organize your case and prepare for trial, you can use the Presentation Preview tab on the right side of the screen to see what any item in your case will look like when it is presented without having to stop and launch Presentation mode. Simply drag any item from Case Explorer or Document Manager to the Presentation Preview tab.

1. To use this feature select the Presentation Preview Tab Presentation Preview Tab

81

2. Drag and Drop the document or image from the Case Explorer or the Workbook Explorer that you want to display in Presentation Preview.

When you are ready to present your case, Presentation Preview becomes a powerful tool for controlling your presentation behind the scenes using dual displays (i.e. your laptop with TrialDirector running as the primary display, and a courtroom projector showing Presentation mode as the secondary display). You can use either of these methods, and switch between them as needed:

Present Preview (Mirror Mode Off) - Prepare and preview on-the-fly enhancements to your presentation on your laptop without impacting an ongoing presentation. At the proper moment, you simply click a button to insert the new information into the live presentation and the jury never sees you miss a beat.

Mirror Mode - Make real-time changes and control your live presentation entirely from Presentation Preview. The jury sees your annotations as you make them, views a video as you click play, etc. but never sees the tools or controls. The Presentation Toolbar is automatically hidden in Presentation mode as soon you enable Mirror Mode. More Information

Regardless of the way you use it, Presentation Preview works just like Presentation mode and includes its own customizable toolbar that is saved separately from the toolbar in Presentation mode. 82

To push Presentation Preview over to the Presentation display Note: Native file documents, such as Microsoft Word or PowerPoint, will open to page 1 when transferred to the active Presentation display. If a specific page is desired, be prepared to move to that page. This limitation does not apply to PDF files. 1. Ensure the secondary display is enabled in Windows. 2. Ensure Presentation is set to Secondary Monitor. 3. Drag the item from Case Explorer or Document Manager to the Presentation Preview tab and prepare it as needed using any of the presentation tools. 4. If needed, move the item to the appropriate zone. 5. Click

To clear Presentation Preview (discarding any annotations) Click

Note: If Mirror Mode is enabled, clicking Clear Presentation clears both the Presentation Preview tab and the actual Presentation. Consider using the Save Stages feature to preserve the display before you click Clear Presentation.
