Leading young leaders to make a positive impact on the society.
AIESEC DELHI UNIVERSITY
2012 ANNUAL REPORT
Editorial
Note
Nostalgia is a weak word. It can’t sum up a year. It can’t sum up what one feels when one has imbibed an organization, entirely absorbed it and has been absorbed by it. One feels a lot more than nostalgia after the passion, the hard work, the sweat and toil. Moreover, it sounds like culmination. Yet, we know that it’s just an year which has ended. The dream lives on. Performance and Relevance. They are integral to us, to AIESEC DU and were our mainstay this year. Our Performance speaks for itself and is reflected in this entire report. Our program delivery and events have focused on understanding the needs of AIESEC International and our society as a whole and hence becoming a relevant part of it. We have innovated not for the sake of it but to drive performance and to ensue relevance. Yet I must sum up the year, as if it can be neatly packaged in an editorial or even an annual report. So if I must I would say that it can be summed up with our team stand as The Montage and our new LC roll-call. These are “Leading leaders to make a relevant impact in the society” and “We are one, we are the best : we are AIESEC India”. On this note, it’ll be apt for me to sign off. President‘s
Message
This is my last message to you as the Current President of AIESEC in Delhi University. Let me start by saying that it was an honour working with this Local Committee. I do apologise if I did something which you didn’t appreciate but let me assure you that all my intentions were in the best interests of this local committee. Though I tried really hard but I do regret not knowing some of you. I do hope that I can know some of you before I’m discharged. Please read this newsletter letter carefully, this is my last. Though I’m not in the country but I’m still very disturbed by the recent events which happened in Delhi. People did protest but I’m sure everyone will forget it after celebrating a “Happy New Year”. A lot of people, including some internationals, asked me,” Will India change?”. I find it very difficult to give a nice sounding answer. The truth is that I don’t think our country will change for the good. If it goes like this. It’s not because there
2
are wrong people at the right places. It’s because the right people are at the wrong places. Most of you are looking to do, MBA’s and will soon devote your life to increasing the profits of some foreigners. I’m not saying it’s a bad thing. All I’m saying is that it’s not the best thing either. Most of you want to be rich. Just being rich doesn’t make one happy. This country needs the right people at the right places. Think of doing public service, starting your own businesses or joining Indian companies. The key to happiness is doing what you like. Most of us would like to matter to the people around us. As of now, give AIESEC your best. Remember, the more you’ll give to the organisation the more you’ll get from it. Do accept the leadership of 2013 and don’t make the folly of comparing them with the leadership of 2012. The circumstances are different. You saw us at our best. You need to help them become the best. Even if we haven’t talked that much, you’ll find a friend in me. If you need anything, do let me know. Whenever. Wherever. I would end by quoting one of my favourite leaders. “Whatever you are, be good”. Goodbye and Godspeed. Adhiraj Singh Local Committee President AIESEC in Delhi University

2012
AIESEC
As the boy walked home after a long EBM, the first of many to come, he wondered what the coming year would hold for him. At the turn of midnight, responsibility would fall on him, as it had fallen on his predecessors. The future of the best LC in India would depend on him. The thought was daunting. The mist ahead of him suddenly cleared, and he saw an old man walking towards him, holding a lantern to find his way in the dark. As he neared, he stopped the boy. “My time is over” said the old man, leaning on his wooden staff for support. “You shall never see me again, and by the end of 2013, you shall not be seen again either” said he to the young-ling. “But do remember, years will come and years will go, but AIESEC Delhi University will go on forever. You face a mountain to climb, it may feel difficult, at times impossible. But remember that I was once where you stand now. I believed in the power of AIESEC and I conquered that mountain. Remember who I was and what I said. Remember that in 2012, • AIESEC DU proved to itself that it performed to be the best in the world. In performance, we were a class apart. • We were the best, we were the strongest, and yet we were the most humble. Inspite of some being jealous and others intimidated, we reached out to everyone. With our hands wide open and heads down, we were at everyone’s service. And that paved the way for valuable collaborations.
6
• We took the baton of not just leading ourselves, but leading the whole nation. In front of the entire nation, we shouted out loud “We’re the One, We’re the Best. We’re Delhi University!” • We believed in the power of democracy and leading leaders. • We believed in ethics and accountability. We believed that people should keep others accountable. AIESEC Code of Ethics • We believed in performing highly while caring for the quality of every experience. We believed in impact. This belief will make us relevant. • We ensured that we were united through thick and thin. We stood together, one for all and all for one. • In times of crises, we got together as one and conquered it. Always remember, when the going gets tough, the tough get going. • We know that having processes is our strength. Dear 2013, don’t you stop what I started! • Now the time has come to reveal our greatest strength. We are who we are because we are sustainable. We think of the future before we think of the present. The old man gave the boy the lantern and the wooden staff. “Lead the right way for the rest, now. The lantern will give you direction, the wooden staff will be the people who will support you on your way.” As a distant clock struck midnight, the mist swallowed the old man, leaving the young boy with hope and a vision for the future of AIESEC DU in 2013.

10
ro Station to spread awareness and was festooned with entries from a Anti-Smoking Photography Competition held in collaboration with Delhi University Photographer’s Club (DUPC). Convened and organized by the OC under the inspiring leadership of Kanika Khanna and Pranav Agarwal, the event was the first of many to come (for the new leadership body), and thus set a great quality standard for the events of 2012-2013. The efforts were met with much appreciation and the local committee registered a profit of 1.3 lacs on this undertaking.

The dedicated OC was lead by Snigdha Guha and Suvarna Joshi, who ensured that Udaan created the impact it aimed for. Udaan 2012 was a majorly successful event which increased the visibility, impact and outreach of AIESEC DU. It has only raised the bar higher for 2013.

AIESEC in Delhi University is
recruiting What are you waiting for?
14
Recruitments One of the most refreshing things about AIESEC is how the entire membership body changes itself completely every 2-3 years. In order to do (DU) this, recruitment has to be carried out at a massive scale to hunt for some of the best talent and minds from the premier educational institutions from the capital bi-annually. This year saw 5298 applicants for a prized full membership in AIESEC Delhi University, three fifths of who applied for August recruitment around the heat of UDAAN. 2132 applicants went through selections, a third of that figure representing Feb Recruitment. Around 1100 of these applicants applied online, and the rest purchased forms sold during mass campaigning and various sessions conducted by recruitment teams across DU colleges, Jaypee, DTU, IILM etc. 25 colleges were visited each time. This was of course, done with various sponsors and partners, most notably NDIM. Feb Recruitment was publicized through sessions mostly, and August Recruitments were boosted by Empower, all packaged and delivered as LEAD sessions centred around Leadership and career growth through soft skills and personal development. Full credit must be given to both the recruitment teams for assembling the brightest minds and from all corners of the city, assessing their skills and deploying them into and as the highest performing teams that comprise the best local committee in the world as of 2012-2013.
15
Youth Carnival The beginning of a new session for DU - when it is virtually asleep and the students are in wispy seriousness which makes them attend classes - AIESEC in DU comes up with an idea - an idea that would create an unprecedented impact on the youth - an initiative to celebrate the unfathomable power of the youth and showcase the culture of AIESEC - the YOUth Carnival. The event was organised in various stages The ‘YOU’ th Night - “keep true to the dreams of thy youth!” This event saw Colossal Figures performan and it showcased the power of dreams and the talent of today’s youth. EMPOWER - “the very essence of leadership is that you have to have vision. You can’t blow an uncertain trumpet.” It was a session on leadership, passion and AIESEC with eminent speakers like Raghav Mandava, RJ Safia and was attended by over 1600 students. Main Event - “what we have to do... is to find a way to celebrate our diversity.” It was a multicultural celebration with around 40 internationals from 10 different countries showcasing their culture - an evening of rendezvous with the deffirent facets of the culture around the globe. The highlight was the closing performance by Jasleen Royal and Parikrama.
16
17
Global Village With globalisation being the trend these days, it’s always cool to discober interesting stuff about the world and be amazed by the different cultures all around the globe. So, AIESEC in DU, india hosted a regional Global Village - a carnival that celebrated culture and diversity by bringing together over 45 internationals from 15 different countries and giving them a platform to exhibit their culture amongst over 2000 young individuals from across Delhi and NCR. The global village held on the 1st of september was a multicultural treat with a milieu of varied artistic displays like dance, music, plays, etc. Exchange participants from japan, morocco, russia, ethiopia, ukraine, egypt, sri lanka, kazakhstan and LCs from jalandhar, delhi IIT, and lucknow actively and enthusiastically participate in this global extravaganza. The event commenced with the welcoming of internationals which was followed by setting up the stalls for the big day by the delegates. And then startd the show - there were 8 performances by the EPs showcasing their cultural dance, music and other acts, followed by the stall dis-
18
play - a session of rendezvous with the cultural diversity. The highlights of the global village included *western dance workshop by european EPs *workshop on mandarin (chinese language) *japanese synchronised dance performance *country videos displaying flora and fauna *mouth watering delicacies from 15 different countries *egyptian roll call *special address by morocco’s LP *souvenirs given to EPs and participants All in all the global village was a successful event - an experience of rich and diverse culture and heritage - a perfect example of globalisation - a perfect learning process - a perfect understanding of the world.

Functional Report

Quality
Net Promoter Score (NPS) : The quality of experiences delivered by AIESEC DU to both interns and members is effectively tracked using the Net Promoter Score (NPS). The NPS is a survey sent independently by AIESEC India to interns and members asking them to grade the LC and give feedback. Being a reflection of the most important focus of AIESEC, i.e stakeholder experience, it is a Measure of Success of the LC. The NPS score ranges from -100 (being the worst) to +100 (being the best). At present, AIESEC DU has an NPS score of 59. The names and comments of those who filled the NPS are given in the following link-http://goo.gl/7C0YB . It can be inferred from the above that the LC’s members have given high NPS scores, meaning that most members have learnt a lot from their AIESEC journey and have enjoyed their experience. However, both GCDP and GIP interns (from the estimates of the period July-August-September 2012) have scored DU relatively low. This reflects poorly on the ICX department as it shows that interns did not have a good experience. Proper intern management needs to be the focus in 2013 to ensure that DU has an NPS score of at least 80. Another inference is that the response rate of the NPS survey is less than 40%, implying that very few recipients fill it. Members should search their inbox for a mail from aiesec@customergauge.com. It will have the NPS survey. (The LC hopes you are being delivered a good experience. If not, then before filling the NPS, please contact the Elected LCVP TM 2013, Divya Bhurangi - dbhurangi04@gmail.com ).
21
Also, all interns who had a good experience should be reminded to fill the survey (they would have received a mail from the email ID mentioned above). An important point for the ICX department - the NPS is being sent to this quarter’s interns, i.e those who have been matched, realized or have completed their internship. Quality needs to be made the priority. On Time and Full (OTF) : According to this measure of quality, each department of the LC is given a score for the tasks it completes on time. OTF reflects the effort put in by the department and its efficiency of implementation. A high OTF score leads to high NPS. Currently, the LC only uses OTF to measure the quality of experiences facilitated for its interns. In 2013, its scope might increase. The link for the OTF tracker is: http://goo.gl/nmZmF
22
The OTF scores of the individual VPs of the incoming sector are given as follows : 1) Shivani - 100% ( Total 6 interns ) - Q responsible: Garima 2) Kanika - 97% (Total 5 interns )- Q responsible: Anuj 3) Snigdha - 82.7% ( Total 9 interns ) - Q responsbile: Abhinav 4) Tanvi - 56% ( 5 interns ) - Q Responsible: Hanut 5) Manasi - 0 ( No current Realizations ) 6) Dhruv - 0 ( No current Realizations/ No Matches registered ) As is evident, the Education Sector is the only department which has an OTF of 100%. Congratulations to ET for being the best department in ensuring quality experiences of its interns.
23
Also, the following members are appreciated for sending the minutes of the meeting with their interns to input.aiesecdu@gmail.com : Ayushi Chadha, Shivalaya Gupta and Garima Chaklader from ET Department. Nishant Godara, Kumar Akash and Harjyot Kaur from Kanika’s GCDP ICX department. Dishank Bhan from Snigdha’s GCDP ICX department. Jyotsana from Manasi’s GIP ICX department. Apart from Shivani’s, Manasi’s and Kanika’s departments, no other department has sent the minutes of intern meetings to input.aiesecdu@gmail.com. This reflects poorly on the quality practices followed by these departments. Also, except for Pragati Mitta from Project Caste Away, no other Project Head has sent the minutes of their orientation meeting. The LC has no minutes or proof of core support team meetings. This leads to the conclusion that there have been no active core support team initiatives for the projects. All Project Heads are requested to adhere to the processes, otherwise the project will be under scrutiny from the quality committee of the Executive Body. One of the most important inferences from the OTF mechanism is that a large number of interns are to be realized in January. Requisite arrangements such as pickup, accommodation, job role, etc must be in place. Also, despite the emphasis on the importance of the match registration form, only 92 out of 102 matches registered on system have been registered. Members and the quality team need to look into the matter. The link to the form is : http:// goo.gl/hUiU9

Global Internship Program
AIESEC in Delhi University is known for its Incoming Exchange programs. The year 2012 has been a year of ups and downs. A few new recruits have stood out, and have contributed to the department in a big way. However, majority of the membership has shown sporadic performance. Leadership wise - the department has been strong , however , a few team leaders have shown room for improvement. As far as capitalizing on Alumni for TN’s is concerned, the department has a lot to improve upon. There has been just the one TN that’s been raised, which had been referred to by an alumnus. The performance of the department has been a series of ups and downs. Nevertheless, the department has been getting the required numbers

Global Internship Program Outgoing Internship program is one of the key departments and work functions of the local committee. AIESEC provides up to 6 month long, certified, international internship opportunities to local students and professionals (between the age of 21-35) abroad. This proves to be not only a chance to enhance one’s career skills but also help young professionals mature culturally into global citizens. oGIP this year has shown 86% growth than last year. The department has delivered 13 exchanges exchanges in the fields of IT, language translation, Electronics etc.10 of the 13 experiences provided this year are long term experiences while the rest are short term. The oGIP department this year has also seen two alumni realizations. It remains the LC’s smallest department, yet one of the most efficient with 90% active members

Global Community Development Program GCDP ICX has traditionally been a sector , which has contributed a lot to the LC.The portfolio has shown a growth of 119.84% since last year. This year, the development sector catered to multiple issues through the nationalised projects Footprints, Genesis, Conserve, Rural Development and Worldview. Besides these, Project I CAN and Caste Away were also delivered. The performance of this portfolio was a concern in the first quarter. However, post March the performance gathered pace. A lot of interns flocked in during the summer cycles in Q2 and early Q3. The GCDP ICX department also won the Summer Rush, an RnR campaign organised by the LC. A lot of interns participated in the Discover India conference for the Northern Region. A few initiatives were also taken which included a regional Global Village in collaboration with AIESEC Lucknow and AIESEC Jalandhar, and collaboration projects with AIESEC Kolkata and AIESEC Lucknow for the winter cycle. The LC is also offering TMP TLP opportunities to its interns in the winter cycle.
Incoming Exchange
The portfolio has proven to be financially sustainable the quality of experiences provided was lauded by interns..The GCDP ICX portfolio of AIESEC Delhi University is currently leading nationally as well as globally.
21 27
Global Community Development Program oGCDP as a portfolio can lead to exponential growth for the LC. The reflection of this thought can be seen in the EB OS of the LC for 2013. The year 2012 was essentially about determining the future of the portfolio and creating the necessary OS. Although DU is deemed as the highest performing LC in oGCDP in AIESEC India, the reality is that it has been able to do justice to just one tenth of its potential in this sector. The initial 6 months of the year were a continuation of what the portfolio was doing in 2011, in terms of raising, with little focus on UR. However, various innovations like task forces and synergy were established towards the end of the first half of the year. The latter half of the year saw an elaborate evolution in portfolio. Delivery, market research, client expansion and extensive synergy were essential. This period not only nurtured leaders for 2014, but also gave oGCDP a vision for 2014. One important accomplishment in 2012 was that the focus was not only on exchange, but also on highlighting the importance of exchange within the LC. As a result, DU had the highest number of Global leaders and members in AIESEC India. The year was concluded with a total of 118 experiences delivered and strong processes in place.
28
oGCDP has a cemented vision for 2013. With the presence of strong support functions to boost the program, well directed synergy, aligned membership, and a platform to create more global leaders and members, this portfolio in 2013 intends to stay as the highest contributor in OGX for AIESEC India.

Business Development
Engagement
This year the department became the frontrunner and a visible face for the LC.Not only was it able to sustain the activities of the LC and raise money for events,it also contributed to the national network by taking up pilot projects and regional initiatives. The department ,along with various task forces was able to raise Ruppees 23 Lac.The various partners which were engaged this year by the department ,were prominent firms like Jaquar,RC Cola,Jubilant Foods,GAIL India,Indian Backpackers,Apollo Hospitals,Sun Foundation,Paras Foundation,Star India and Genus Inverters.
Though the department starte momentum soon after the Jun delivered impactful programm with Youth Empowerment w gaging the maximum num session. It was followed by campus ambassador prog also worked and contrib student outreach throug Program which engage the year into various d ects.
The department was also able to raise money to subsidize the education of 130 children belonging to the Okhla slum area ,and hence contributed in being relevant.Besides this, all events were profitable and were delivered well.New initiatives like micro financing, crowd funding, raising from trust funds were started this year. The department had an active membership with the SB and TL’s contributing to the LC in other ways too.

Expansions
The year started off on a rough note with the Amity expansion not working out. By July, Meerut as an expansion worked out for AIESEC in Delhi University and has done 12 matches and 8 realizations(ET) by now. It also plans to host 40 interns this January for a Global Village. Youth Empowerment sessions were also delivered in Faridabad to create an interest group for future expansion. AIESEC in Delhi University in collaboration with the Member Committee is also working on the Amity Partnership for nationalized expansion.
Education Traineeship If 2011 was the year when the Educational Sector came into being, then 2012 was when it gained its identity and established itself as a mainstream department in the Local Committee. Contributing to both the Global Internship Program and the Global Community Development Program, the Education Sector has striven towards relevance. Project Worldview, which was earlier about exposing students to different cultures and social issues, has now evolved to a more structured format with various workshops dealing with the issues of Environment Conservation, Caste system, Cancer and HIV AIDS awareness. The Indian Cancer Society and Sarthak (an NGO) are the knowledge partners for this project. They conduct training sessions for the interns before they interact with the students. Both the development of the internationals participating in the project along with that of the students is taken into consideration. Along with this, the sector is in the nascent stage of developing Youth Empowerment sessions for schools. In this, the knowledge partners give a talk and conduct an activity relating to the six week long project, while the interns give a presentation about themselves, their countries and the cultures they represent. With the Youth Empowerment Sessions, the project is kick-started in various schools. The goal is to introduce school students to AIESEC as an organisation, adding value to their experience
32
and showing them a way to connect to us in the future. Next year, the goal would be to establish AIESEC cells in schools and universities so as to engage students to participate in the functioning of the project, thereby making the latter self sufficient. With regard to the Global internship Program, this year has seen a market capitalization of the language teaching sector in Delhi. The department catered to clients with requirements of Language training, Soft skills development, Counselors, Content Development and IT trainers. Next year will see a foray into the BPO sector for training purposes. This is a department with a very strong leadership culture, whose members have actively contributed to spheres beyond their designated job description and have taken initiatives to evolve the existing processes. The client relationship management is stellar. A very important focus area is on quality internships and providing satisfied experiences to all stakeholders. Forward is the only way to go for the Education Sector, by expanding the market it caters to and delivering more and more relevant, quality experiences
33
Human Resources and Development The Talent Management Department evolved on many fronts during the past year. Apart from handling the HR of the LC, TM also introduced two new AIESEC programs, namely TMP and TLP, keeping in mind the AIESEC BHAG for 2015. The focus of the department changed from solely managing experience to including member development. This can be seen through the key activities taken such as the HR Newsletter, effective HR planning, External Training Partnerships etc. The most important of the activities undertaken are : 1. Evolution of Recruitment Process: AIESEC DU focused on need and job role based recruitment, which resulted in the recruitment of individuals best suited to the organization . This acted as a Best Case Practice for AIESEC India. 2. Member Profile System (MPS): AIESEC DU introduced the Member Profile System, wherein each member was assigned a profile on an internal HR website. The performance and experience of each member was evaluated on a weekly basis. This helped in effective tracking of members. Along with the above, various other initiatives were implemented which led to HR driving growth and acting as a pillar for the LC.
34
Finance and Delivery The main objectives of this portfolio in 2012 were to ensure financial sustainability in all programs and events undertaken by the LC, and to spread awareness amongst LC members about fiscal management. In accordance with this, various sessions were taken to brief members about the importance of the Finance portfolio and its role in the functioning of the LC. As a result, all decisions by various departments and OCs were taken keeping in mind the financial aspects. Therefore, financial sustainability was attained in all the LC programs. Additionally, profit was generated by each event, which helped sustain the LC and register a net profit. A new accommodation unit was also invested in with the LC accommodation partner to ease the burden of realizations during peak inflow exchange cycles. Another initiative for Quality was the introduction and implementation of OTF and MRF. Hopefully these processes would be structured further next year and would include measuring the quality of TMP and TLP program. The year 2012 was very fruitful for this portfolio, and all processes were put in place for the incoming Vice President Finance and Delivery.
35
Marketing and Information Management There has been a sea change this year, both in the brand of AIESEC Delhi University and in the way the department functions. This year, there was added focus on external positioning and product packaging. In fact, the design function of the department was evolved to packaging, which is evident in our campaigns and events. The events were planned and packaged after an understanding of our market and target audience. They aimed at showcasing the key strengths of our brand : Positive Impact (Udaan and Discovering Hope), Youth Network (Youth carnival), Internationalism (Global Village) and Leadership (Empower). The events were supported by extensive media coverage - our partners this year include NDTV, MTV(national partner), HIT95, NewsX, Radio Mirchi, Asian Age and HT City. Youth oriented partnerships were also undertaken in terms of print media, as a DU Beat or a University Express arguably reaches our target audience better. Online Outreach was through new media, blogging and partnerships with youth oriented websites such as Youth Ki Awaaz, Let Me Know, Songsdew, First Post etc. Social media campaigns this year were across multiple platforms, the most successful being the Facebook “Experiences Powered by AIESEC campaign, the flashmob at the
36
University metro station promoted via YouTube, and a national level tweetathon on “Power of YOUth”. We now also follow a structured social media plan, with a weekly topic for all platforms. External Collaborations were utilized to make the organization more credible(a UN event and a Police felicitation program), get professional expertise(SkillKindle for training), cross branding(30 cafe partners through paisa card) and leverage of the fan base of partner organizations. These activities have definitely led to a perceptible increase in Brand Visibility and Brand Attractiveness ( which can be inferred from the increase in ELD numbers). We have indeed taken massive strides towards being both a Global Youth Voice and a First Choice Partner.
Information Management Information Management has been a key focus area this year, with emphasis on internal communication and Knowledge Management (KM) processes. Information Management systems have been updated and been brought to par with AIESEC International’s processes and trends. This is apparent in our training and active use of aiesec.net and Podio for both internal communication and KM. Internal Communication has also been structured through a weekly internal newsletter. Training has been undertaken through learning circles. Innovations in this field include MPS, which tracks member activity, a version of which has been incorporated in the AIESEC India website.

Message from Montage...
2012 has been a year of learning, of challenging ourselves to go beyond and push limits. There was a point when the year just seemed to stretch on never endingly, and now that it’s almost over, I look back and all the hard times are a blur and only the triumphant moments shine out. It has, more than anything been about the people. The membership of AIESEC in Delhi University is its strength and I hope that in the coming years each one of you will make sound decisions, follow your passions and take this Local Committee which means so much to each one of us to greater heights. -Shivani Khare

As the name of the team suggests, this team has always been about working collectively on a task. We can call it our USP as unlike other teams we synergize with work in every field. Be it an event ( YC ) or a LC issue ( stake holder issue). -Aishwarya Tandon
AIESEC DU has been our child for the past one year now.We have had to take many decisions which might not have been fair,or right in your eyes. However every decision we took, every event we did, every team meeting we had, every call we made or every member we recruited - we did it keeping the interest of this LC above our own.We have done the best we could and are leaving this LC with a great bank balance and a pipeline in terms of exchanges.Make sure you give in your best to this LC because the LC can only function if all of you put in the effort,if all of you see the value and if you are passionate enough about AIESEC Delhi University. -Suvarna Joshi
