The month of August celebrates women around the world and invites us to examine how we can best strive to reach and fulfil our personal potential.

It is no secret that shop-sa has had to manage and process a number of changes that have taken place over the past few years due both to economic realities and internal changes. I am proud to acknowledge our current team of women, made up of myself, Wendy Dancer, Rachel Skink and Ruth Montsho as having risen to the many challenges and additional responsibilities it has brought, as well as having weathered the storms of uncertainty. While an annual ‘women’s day’ celebrates us on this special occasion, it remains up to us to celebrate our own strengths on a daily basis, and use the many tools at our disposal to honour our own role as a woman.

overkill or just the facts? Features on a device are a funny thing.

F

or years my mom joked about the increasing number of features incorporated in watches. For her it always came back to the same thing - does it tell the time? And, if it does much more than that… it’s a waste.

The rate of increase of function-overkill has not slowed in the least and every new device has one more “earth shattering, ground breaking and unique feature”. Manufacturers are trying their damndest to make each device a MacGyver knife. If that doesn’t ring a bell, it comes from a 1980’s TV series starring a fictional secret service agent called Angus McGyver. He was able to build just about anything; or solve any problem; or get out of any sticky situation, with just his trusty knife, a ballpoint pen and a paper clip. The launch of the Samsung Galaxy S4 brought this to the fore again with a feature called Group Play allowing one device to send a sound to many S4’s, essentially multiplying the number of speakers. While this is without doubt a super cool feature, I dare you to find someone who has heard of it, knows how to use it or has in fact used it. I couldn’t. Yet people are lapping up this feature-pitch. Just so that you don’t think I am picking on mobile phone makers, Microsoft Office has always had this flaw. The software is incredibly powerful, and until recently, was advertised with stories

of the wonderful world of productivity that would miraculously land on your doorstep when you began using the software. An anecdotal statistic is that the average office user engages only around 5% of the functionality while a power user shoots up to a whole 11%. So if most people are buying on a sizzle-sale, then you should always sell the sizzle, and not the steak, right? In some small way it’s aspirational, and humans believe they too will be cool, productive, slimmer or faster just because they own said thing. Where this all comes together for me is in thinking how we as humans fit into this sizzle versus steak world. We, too, are fed a lifetime of messaging about how we should be able to do a little of everything, be an all-rounder, do sport, be spiritual, live healthy, excel at business, be a charmer or remain gorgeous. What if life actually isn’t about the sizzle and is more about the whole piece of meat? There is the bone, the gristle, the fat, the whole deal. What if we focused on doing things well instead of spreading ourselves thin? What if we “bought” people on the reality, instead of the sizzle? I challenge you to try it ou. Tell a friend, or a stranger, the truth when they ask how you are. Don’t tell them your whole life story, just the facts. But be real. Don’t sell the sizzle and don’t buy the sizzle. I feel better off not being all things to all people. Now, I wonder if my iPhone can make phone calls while I am tweeting about how cool I am? m Vol 97 - August 2013

“Big data” is being touted as the latest panacea for creating customer loyalty but what do customers really think?

ig data is what many CRM programmes claim they sell you when espousing the benefits of their particular package.

Blogger Dave Meer defines big data as “… the large data sets that can be managed and analysed only by increasingly powerful and sophisticated tools.” He distinguishes between various types of data: •

Created data includes things like old-fashioned market research surveys, consumer panels, loyalty programmes and other ways in which customers voluntarily provide information. Provoked data generated by giving people the opportunity to express their views, like customer ratings and reviews. Transacted data generated every time we click on a website or on a banner, buy something online, or check out at a cash register, and is a powerful way to understand exactly what was bought, where it was bought, and when. Compiled data comes from the giant databases that companies such as banks keep. They include demographic data, where you live, your purchase history, what cars are registered in your name and more. Experimental data when a company designs experiments in which different customer sets receive different marketing treatments (like different prices or discounts). and observe results in the real world.

There is also data generated by the way people use the internet: what they post on social media, which videos they watch on YouTube, or what photos they download onto Instagram.

I’m certain that there is some good in the concept of analysing big data, but based on my experiences with large organisations, I fail to see its usefulness. Most companies neglect to use what they know about me already. I have seen letters addressed to “The Deceased Mr James Patterson,” and have received a number of unwanted SMS’s from companies who have absolutely zero chance of selling me anything. If I book a seat on SAA, even after 1 200 flights over the past few decades, I still have to ask for my favourite seat, and they still don’t know what my favourite meal is. Even worse – for them – is that they are unable to simply process data that already exists in their computer, like the fact that at some stage the number of flights per month dramatically decreased. Yet, when my local greengrocer or Italian restaurant or hardware store owner sees me, they recognise me, call me by name, know what I like to buy, and treat me like a member of the family. Not one large corporation has done that for me. Big data? More likely it is big bad data, and it will never, ever beat human intuition. If you own or run a business, I suggest you go and buy a box of cards and record information that is really useful in a box where it will be read. m

In a second phase, secretariats and potential bulk buyers were also sent sample pens. rom marketing communications to packaging and photographic prints, we use fine and speciality papers in almost everything creative or visually pleasing to the eye. Despite the ‘digital age’, we continue to use paper creatively throughout our day in almost every way.

Paper sends a message before even ink is applied, and your choice of paper remains integral to the delivery of your tailor-made message. Expertly crafted paper promotions can excite the senses as they reinforce a brand, be it on business cards that express a company’s particular service or product offering, to marketing materials made up of brochures, invitations, direct mail print campaigns, annual reports, magazines, photo books, exhibition stands or point

of sale displays and signage. Marketing managers, graphic designers and advertising professionals can’t keep abreast of every aspect of a campaign’s specific requirements during its roll out, however knowing the products and quality available in terms of the fine paper offerings will go a long way to uplifting and producing best standards in creative expression, while staying within the budget. Ask your paper supplier to visit the team with a sample book which displays the weights, colours, finishes, sheet dimensions, grain direction and other particulars of a collection of paper samples. Don’t forget other aspects of paper to uplift your brand, which can include wrapping paper, envelopes and envelope liners, paper boxes and decorative papers with accents of gold or glitter. Aspects to consider when choosing fine papers: Is it coated or uncoated? A lustre finish can deliver a high-quality look and feel, while an uncoated paper can provide a more rustic or natural feel. For example, label paper is coated on one side and used for labelling applications. Your paper representative can provide insight into linen, felt, embossed, ribbed, vellum, smooth and parchment types of papers. What other processes do you want to use? Will you be laminating, UV coating, die cutting, embossing, folding or scoring the paper? How will the ink sit on the paper? The

properties within paper will determine how it absorbs liquids (inks, water, etc.) which come in contact with it. Will you use white or coloured paper? Do you want to deliver a crisp, luminous look or a softer, warmer, or more hyped feel. Bleached paper undergoes a chemical treatment to brighten, whiten, purify, refine, and balance pulp fibre. Is the grade of paper right for the job? This classification is given to paper relating to its unique characteristics, which includes brightness, opacity, cotton content, etc. Paper which has no acid or residual acid-producing chemicals is called “acid free.” These papers resist yellowing and disintegration longer than sheets that are not acid free. Paper with a pH factor of “7″ or higher is considered acid free. Paper not treated with bleaching has a light brown hue. Generally, given reasonable care, a consumer can expect one year of usable life for every 1% of cotton contained in the sheet. Paper made with 100% cotton content can be expected to live at least 100 years. What is a watermark? A watermark generally will identify the manufacturer, the brand name and the amount of cotton fibre, if any, in the sheet. Often it will contain a date-code to protect the integrity of the document that is printed on the paper from fraud. This is done by incorporating a special marker into the watermark. The position of the mark is usually changed annually and legal records are kept to document Vol 97 - August 2013

the date and its exact location. These marks are especially important for legal, accounting or government documents where the integrity of the document could be called into question. The term comes from WW I when war bonds were printed on cotton fibre papers that were extensively watermarked. The extensive watermark was used to protect buyers from bonds sold by counterfeiters (the first safety paper). Following the war, people who wanted a good quality paper

would ask for paper like that “bond” paper. What weight do you need? Papers are manufactured in various weights. Cover stock includes a wide variety of fairly heavy papers, which can be made into covers for reports, catalogues, brochures, and pamphlets. The metric system of measurement for paper is used primarily throughout the world, Paper-size measured metrically uses the unit “millimetre,” with 25.4mm equalling one inch. The International Standards Organization (ISO) sets forth in its document ISO 216 a series of (metric) paper sizes, each element having a length-to-width ratio of 1.414, for example, envelope size to weight of paper. Its density identifies the weight of paper compared to the volume and is directly related to the paper’s absorbency, stiffness, and opacity. What are FSC® papers? The Forest Stewardship Council™, or FSC®, is an independent, non-profit organisation that has established a certification system to promote the responsible management of the world’s forests. Chain of Custody certification provides the assurance that a company is maintaining a control system that tracks materials it sources from the forest to the end consumer, through all stages of transportation, manufacturing, and final distribution.

Other useful terms: abrasion resistance – The level at which paper can withstand continuous scuffing or rubbing. bindery – A process of perforating, folding, trimming and eventually binding a printed piece. calendering – A smooth finish given to paper by passing it between polished metal rolls to increase gloss and smoothness. deckle edge –the feathered edge on paper produced when fibres flow against the deckle or edge of the web, found especially on formal stationery and announcements. die – A design, letters, or pattern cut in metal for stamping, embossing or for die cutting. dpi – A measure of the resolution of a printer is called DPI or dots per inch. In general, the more dots, the better and sharper the image. DPI is printer resolution. Formulating a Winning Team Effective teams are the cornerstones to any company’s success.

O

rganisations that excel in today’s tumultuous economy recognise that the team is stronger than the individual. These companies understand that it is not enough to hire the best and brightest. You must take this talented group of people and formulate a winning team.

Why teamwork makes sense Companies whose star employees fly solo often find themselves with huge gaps when these individuals leave the company. The team approach ensures continuity in your organisation; even when it is the leader who departs. Effective teams make best use of individual skills and provide a supportive atmosphere for decision-making. The energy of team members is fused to create a sum, which is far greater than the parts. When you have functional work teams, members often volunteer to pick up the slack when associates leave. Efficiencies are gained as team members collectively choose to absorb the recently vacated position rather than add a new member to the team. Team Building There is more to building a team than hiring and firing. Relationships need to be fostered and expectations need to be managed. Additionally, team building requires: Building Trust – Trust is the backbone of effective teams. Developing a culture where

trust flourishes requires dedication. This can be done in a number of ways. Face to face communications – Face to face communication is vital for trust building. Members of the team need time to get to know one another both on and off the playing field. Set aside specific times for team members to meet. This should be done on both a formal and informal basis to ensure that team members have an opportunity to see one another as more than just people filling job titles. Cohesiveness – Each person comes to the team with different skill sets, experiences and values. To help these individuals work together as a team many organisations use teambuilding exercises. Organisations with inhouse training and development departments may customise off-the-shelf team building programmes to meet the specific needs of the organisation. Some organisations choose to send their management team off-site to participate in team-building courses like the Ropes course, which is a series of supervised group challenges. Programmes like the Ropes course provide participants with unique opportunities to work and play together as they work on problem-solving, group decision-making and positive risk-taking activities far away from the hustle and bustle of the office. The goal is to build trust among participants, who then take these skills back to the workplace. Open communication – Trust requires open and honest communication. It is difficult for a team to operate effectively if members are working in an environment where pieces of information seem to be frequently missing. Vol 97 - August 2013

If employees feel that information is being hidden, they begin to distrust management and their co-workers. This has a direct negative effect on team building. Share as much information as possible so everyone is operating with the same data. Building a mid-level management team that works hand-in-hand with senior management – For an organisation to be successful, the middle management team needs to be operating smoothly in order to effectively carry out the initiatives of the senior team. Building a strong middle-management team requires: Team empowerment – Teams must be empowered to make decisions without having to run to senior management for approval on everything. Set the guidelines up front and then turn the reigns over to the team. Delegating downward – Employees closest to the work are usually in the best position to make sound decisions. Establishing and communicating boundaries – Create clear guidelines so middle-management knows where authority begins and ends. For example, if top management wants to know about problems with major accounts tell the team exactly when senior management needs to be informed of a problem. Clearly defining accountability – Make sure the lines of accountability are clearly defined and there is little or no overlap. If things go wrong, you will know where to go to fix them. Tying teamwork to individual compensation – Part of each individual’s compensation must be tied to how www.shop-sa.co.za

well the individual operates as part of the team. Use 360-degree feedback evaluations to allow team members to assess one another’s performance. Team Leadership Simply because someone is appointed team leader doesn’t mean he/she automatically knows how to perform the role. Invest in leadership training for your team leaders so they have the skills they need from the very beginning. By providing leadership training, you let employees know that you are committed to making sure the team has strong leadership. Employees also see that they too may have a chance to move up in the organisation. Employee Understanding Employees need to understand that teamwork means smart business. A team atmosphere relies on everyone – not just the leader – to initiate projects, generate ideas and produce the results that will move the company forward. Communicate company objectives and the goals of the management team with all members of the organisation so that everyone is working towards a common end. Share team success with all employees when they happen so that everyone can see the benefit of working together. And remember that team building is not just a once-a-year off-site meeting. It is a continuous process that requires the commitment of senior management. You need to understand that, if your company is moving towards a teambased environment, you and all your employees are embarking on an entirely new way of life. m my office magazine

Stop for a moment and consider just how critical it would be if you suddenly lost all your business data. Here’s how you can best ensure such a situation does not become a tragic reality.

usiness-critical data is the foundation of many functions within a company’s operations, be it finance, sales, marketing, or manufacturing procedures. Ensuring that this data is protected for long periods of time, and continues to be easily accessible, is a key requirement for both large organisations and small businesses.

It is also a requirement of governance policies and regulatory compliance standards. The Companies Act and the ECT Act provides strict guidelines for the control of the retention, transmission, processing and destruction of electronic records and communications. Across many industries data is required to be safely and securely stored for a number of years, including financial services, healthcare, government industries, and educational facilities. Sadly, and all too often, backup and archive policies are only implemented after a crisis of a data loss, be it fire, theft or hardware failure, and usually when it is too late to recover crucial information. Many individuals and companies back up their business information to memory sticks, external hard disk drives or perhaps another server. Automated tape libraries offer

the highest capacity, most cost effective and portable solutions for long-term archiving and disaster recovery. However, since a backup system contains at least one copy of all data worth saving, the data storage requirements can be significant, and organising this storage space and managing the backup process can become complex. A data repository model may be used to provide structure to the storage and nowadays, there are many different types of data storage devices that are useful in assisting with large tamper resistant storage that meets compliance and rules for electronic record-keeping, yet still allows portability and access controls and automation of checks into the data’s ongoing integrity. Putting in place an automated system removes two common problems when it comes to data backup and archiving, namely human error and inefficient use of resources. Human error accounts for a large majority of failed or corrupted backups. Whether your business needs to speed up backup times, wants fast and frequent access to data, or has to improve disaster recovery capability and long term data retention, a tiered data protection strategy that combines the advantages of several different technologies offers an ideal solution that addresses all of the above needs. Your backup strategy requirements may be as simple as a sheet of paper with a list of all backup tapes and the dates they were written or a more sophisticated setup with a computerised index, catalogue, or relational database. However, before large quantities of data are sent to its storage location, Vol 97 - August 2013

it requires selection, extraction, and manipulation. Many different techniques have been developed to optimise the backup procedure. These include optimisations for handling open files, live data sources as well as compression, encryption, and deduplication, among others. Some backup systems also offer automated backups and organisation into the repository through a series of incrementals, which uses reference points to check for changes and only backs up the new data. Alternatively, a differential backup, will copy files that have been created or changed since the last full backup, regardless of whether any other differential backups have been made since then. Instead of scheduled periodic backups, continous data protection immediately logs every change on the host system. Magnetic tape: Magnetic tape has long been the most commonly used medium for bulk data storage, backup, archiving, and interchange. There are myriad formats, many of which are specific to certain markets like mainframes or a particular brand of personal computer. Tape is a sequential access medium, so even though access times may be poor, the rate of continuously writing or reading data can be very fast. Hard disk: The main advantages of hard disk storage are low access times, availability, capacity and ease of use. External disks can be connected via local interfaces, or via longer distance technologies which can dramatically reduce the amount of disk storage capacity consumed by daily and weekly backup data. The main disadvantages of hard disk backups are that they are easily damaged, especially while being transported (e.g., for off-site backups), and that their stability over periods of years is a relative unknown. Optical storage: Recordable CDs, DVDs, and Blu-ray Discs are commonly used with personal computers and are generally www.shop-sa.co.za

associated with low costs. Some optical storage systems allow for catalogued data backups without human contact with the discs, allowing for longer data integrity. Solid state storage: Also known as flash memory, USB or memory stick, or secure digital cards, these carry relatively low capacity. A solid state drive does not contain any movable parts unlike its magnetic drive counterpart and can have huge throughput in the order of 500Mbit/s to 6Gbit/s. SSD drives are now available in the order of 500GB to TBs. Remote backup service: As broadband internet access becomes more widespread, remote backup services are gaining in popularity. Backing up via the internet to a remote location can protect against some worst-case scenarios such as fires, floods, or earthquakes which would destroy any backups in the immediate vicinity along with everything else, however internet connections are usually slower than local data storage devices. Residential broadband is especially problematic as routine backups must use an upstream link that’s usually much slower than the downstream link used only occasionally to retrieve a file from backup. This tends to limit the use of such services to relatively small amounts of high value data. Secondly, users must trust a third party service provider to maintain the privacy and integrity of their data, although confidentiality can be assured by encrypting the data before transmission to the backup service with an encryption key known only to the user. Deciding what to back up at any given time is a harder process than it seems. By backing up too much redundant data, the data repository will fill up too quickly. Backing up an insufficient amount of data can eventually lead to the loss of critical information. Either way, backup appliances can reduce the complexity and effort involved in deploying backup and are a great tool in a data protection strategy. m

cuppa, Sir? Bet you didn’t know… that keeping employees hydrated can increase productivity in the workplace.

A

number of factors contribute to dehydration in the workplace: environment, amount of physical activity, diet and illnesses or health conditions. Even if you work in an air conditioned office all day, you can get dehydrated, and studies show that even slight dehydration can decrease employee productivity.

Most people think about drinking water only when they are thirsty. By then it may already be too late, with even mild dehydration having the ability to alter a person’s mood, energy level and ability to think clearly. A headache is one of the early signs of dehydration, along with feelings of tiredness and light-headedness. Headaches resulting from mild dehydration can often be relieved quickly (within 30 minutes) by drinking a tall glass of water and drinking an extra litre of water per day has been shown to help reduce headache duration and intensity in individuals who are susceptible to headache or migraine. Mild dehydration is defined as an approximately 1.5% loss in normal water volume in the body. Because about 65% of your body is made up of water, it is essential to keep your body functioning properly and to regulate body temperature. It flushes out wastes and toxins, helps digestion, lubricates the joints and eyes, and keeps skin healthy. Dehydration affects everyone, and staying properly hydrated is as important for those who work all day at a computer as it is for marathon runners, who can lose up to 8% of their body weight in water when they compete. Employees should be encouraged to drink water regularly in small amounts throughout the day rather than just responding to thirst or drinking at mealtimes. Office breakroom’s should offer a range of clean water sources, teas, coffees and juices as well as strategically placed water coolers in reception rooms and office intersections. Hand out reusable water bottles to keep on employees’ desks to remind them to drink water or encourage them to bring in their own desk filter jugs. Boardroom and sales meetings should always include an accompanying cup of tea, coffee, hot chocolates, chai’s, herbal teas, sports drinks or cups of soup to keep fluids up in the body during long think tank sessions. Alternatively, provide some healthy vending options, after all a 1% decrease in hydration levels can lead to a 20% decrease in productivity, which is ultimately affecting your bottom line. m

My Samsung Galaxy S4. Where will the most significant growth occur in the next few years? I believe that automatic shredding has revolutionised the shredding industry and growth will come from this gamechanging technology that Rexel has developed. Low force stapling and punching is another area where SA will follow current international trends. What is your favourite website? Facebook and rexelsa.co.za. What was the last new thing you bought? A curling iron. What is your favourite song currently? ‘Treasure’ by Bruno Mars. Do you have a hobby outside of work? Canvas painting when I find the time. What car do you drive and why? We have a beautiful country and it can be what we want it to be, if we just play our part in moving forward and letting go of what we cannot change. Do you practise ‘greening the earth’ in your personal or business life? Yes, we shred and re-cycle all our paper at the office through Mondi and our ink cartridges are re-cycled with Green Office. We also embarked on an Eskom energy saving project. What has been your greatest lesson in life? Being the parent doesn’t mean that you are always right, if you listen to your kids you’d be amazed at how much you can learn from the way they see the world. m

Express Whether you’re brave enough to call yourself an artist or not, art suppliers continue to challenge the market with their stimulating variety of fine art tools available today.

W

e all know the only way to be good at something, is to practise!. Whatever your interest, method or technique, and whether young or old, there is always something new to learn when you step through the stationers’ doorway and into the creative flair of the art world.

Here’s the basic tools you will need to get started: Canvas: Start off trying your hand out on artist’s board, or wood such as Masonite, heavy paper or canvas paper pads before moving onto primed and stretched canvases, although they are convenient and come in a variety of sizes to choose from. Brushes: Usually, the same brushes can be used for oil and acrylic painting. Brushes for watercolour will be labelled as such. There are two basic kinds: bristle and “sable” brushes. Bristle brushes are harder and off-white coloured; “sable” are brown and much softer. Brush terms are: rounds, brights, flats and filberts, as well as those designed for custom uses, such as fan brushes. Rounds (rounded edges) are good for line www.shop-sa.co.za

work, and detail; brights and flats (square edges) are better for structural painting and massing larger, sharper areas, with the hairs on brights slightly shorter than those of flats. Filberts are good for linear painting and large masses. Sizes of brushes range from tiny to one or two inches wide. They are numbered on the handle - the smaller the number, the smaller the size (generally from 1 to 10 to around 16. Paint can also be applied with a palette knife for added effect. Paint: Choose from Acrylics or Oils. Oils come in two sizes, 37 ml and 122ml. The 37 ml size is good for general use; and the largest size is usually used for high-use white paint. Even white paint comes in several different types: zinc white, flake white, and titanium white. Each of these whites has certain properties useful for specific purposes. A starter palette will include titanium white, ivory black, cadmium red, cadmium yellow, cadmium green, either ultramarine or cobalt blue, yellow ochre, burnt sienna, and burnt umber, and then add specialty colours such as the metallic range. Varnishes can be used over oil paints to add gloss, add a protective coating and help the painting to last longer. When mixing your oil paints, use a medium, such as linseed oil or turpentine to thin the paint and enrich the colours. Alternatively, choose a paint set for beginners or hobbyists, also sold in art stores and office supply stores. Acryllics are water-based and cannot

be mixed with oil paints. They tend not to last as long in the tube as oil paints, but dry on the canvas a lot faster and can be bought in jars in liquid form. Unlike oil painting which can be reworked over and over again to meet your final piece, water colours and inks can be less forgiving to errors on the page and paint by numbers kits are a good way to start. Palette: Palettes can be purchased ready to use, in wood, metal, plastic, glass, and paper. Paper palettes come in a pad form and are convenient (less cleaning required) and are disposable. Easel: Easels come in a wide range of styles, sizes, materials, and prices. Wood is the traditional material, and usually preferred by artists spending a lot of time on a piece. Aluminium easels are portable, lightweight, and generally cheaper. All adjust to height and position and size of each individual canvas. Digital: If you want to paint on the move and use your art digitally, or are an illustrator or graphic artist, then the iPad art apps are for you. Custom apps are available for sketching, painting, prototyping and annotating photos. Invest in a good stylus and try them out. Great choices include SketchBook Pro by Autodesk, Adobe Ideas or Bamboo Paper. m

You need a new laptop – but given the dazzling array on offer, how do you make the right choice? HP South Africa’s Yesh Surjoodeen has some pointers.

Weight and form factor Today’s laptops vary in size and weight, so it’s safe to assume that the bigger they are, the heavier they get. While an average 2kg+ Notebook may not seem too heavy initially, consider the time you spend with your laptop. If you spend more than half your time travelling, on campus or at clients, an Ultrabook would probably be the best option. Ultrabooks do not have CD Rom drives, so if you need to copy CDs or load software, you should probably invest in an external optical disk drive. However, with cloud back-up and free storage space readily available, many people find limited demand for an optical drive in their everyday use. Battery life Battery life should be high on your list of factors to consider, especially if you’re not at a desk all day. Many modern laptops and Ultrabooks now offer up to 9 hours’ battery life. You may just need it. Performance Entry-level Celeron processors will do fine for users who are simply going to do basic word-processing. But if you are like most people, with several applications or multiple spreadsheets open at any one time, and connected to the Internet and consuming content online all the time, an Intel i3 processor and upwards is a good starting point. Connectivity and price You need to be connected one way or another. Don’t trade down on this. Your notebook should have connectivity with at least a wireless LAN and in addition a 3G option (either built-in or added with a 3G/LTE USB modem).

Even though connectivity costs will be an addition to your monthly budget, it is an essential spend for you to enjoy the benefits of your notebook. Rather budget up to future-proof your purchase, even if it means you need to consider a data plan or a bundle offering as the way to purchase your notebook. Either way you look at it, you will use data each month and over time it will escalate. Storage Whilst apps and tablets seem to be the automatic alternative to notebooks, be cautious as the capability may be somewhat limited to your demands. If you need to store documents and keep tons of photos, music and movies, be sure you have sufficient space. Alternatively, consider Windows 8, which gives you the ability to switch between an app driven menu to the “older” desktop most of us are familiar with. Price Cheaper isn’t always better: consider your requirements before you spend and remember to shop around before you settle on one device. At the end of the day, whether you care to admit it or not, a notebook is an extension of you, considering it is the most visible piece of electronic equipment you will have in your possession. After you have decided which Notebook is right for you to purchase, consider an extended warranty, antivirus and Microsoft Office software as being the next three things you will spend on the notebook after you have opened the box. These are additional costs that you need to factor in when you’re setting your budget up front. m

Joint owner-directors, brothers Chris and Andrew Brown, who came up with the idea of providing premium coffee in the workplace attributes part of their success to having had – and implemented – a good idea at the right time. The Daily Buzz currently provides the ultimate in-house coffee experience to a number of blue chip corporates, offering premium coffee, scrumptious food and exceptional levels of service in a location that’s close enough for staff to grab a great coffee and a muffin and be back at their desks in a minute. New face for Rexel PE Rexel has said a fond farewell to Brian Saunders, who has retired as their agent in Port Elizabeth. Shaun Kolesky has taken over from Brian and he shares some of his ideas on his new undertaking: “I joined Courlanders Agencies in January 2006 after working in sales for a company in Cape Town where I got my current experience in the trade. My responsibilities to date have been handling agencies which we represent in luggage, footwear and the FMCG industry. Over the past seven years at Courlanders Agencies I have been working closely with Brian on Rexel, servicing the Garden Route area. I have come to know the brand very well and am very excited with the new challenges which lie ahead. Tshwane Metro pays R10 per pencil The Tshwane Metro is paying too much for goods in order to benefit certain providers, Beeld reported recently. Orders on Tshwane’s internal SAP computer system revealed that the Metro’s purchasing department was not paying anything close to market-related prices for stock, the newspaper said. This despite Tshwane’s mayor Kgosientso Ramokgopa’s recent undertaking during his budget speech to ensure that the metro focused on measures to give residents value for money. In an internal memo, chief purchaser Silas Mashaba told buyers “not to worry about prices, but make sure there is stock”, the newspaper reported. On June 5, five 40mm galvanised pipes were ordered at a cost of R21 600, or R4 320 a pipe. According to Beeld, the same pipe could be purchased for R439 at Plumblink in Garsfontein. On June 18, the metro placed an order for 1200 Staedtler Tradition

On June 14, the metro placed an order for 80 steel-handled garden spades at a cost of R250 each when similar spades could be bought at most hardware stores for between R130 and R140. An anonymous, senior official in the purchasing department reportedly said certain suppliers were blatantly given preference. “The price at which stock is purchased, is just a side issue. The bigger issue is with whom the municipality does business.” According to Beeld, Tshwane Metro spokesperson Blessing Manale said purchasing departments usually considered the lowest price, but also looked at other factors such as reliable supply chains, product comparisons and quality. GREEN SPACES Reinventing office spaces The quick expansion of social and mobile technologies is creating a widely distributed workforce. To better suit employees who come into offices more sporadically, some companies and design firms are testing radically new and more efficient - configurations for physical offices, and betting that improved technology will make the experiment more successful than similar ones in the 1990s. A project at the headquarters of Cisco Systems in San Jose, California, for example, overthrows decades-old conventions about office space. Called Connected Workplace, it replaces individual cubicles with open clusters of wheeled desks that belong to groups, not individuals; personal belongings are largely confined to lockers. There are no PCs at the desks, because the employees who use the space use mobile technologies, including the Cius tablet, which Cisco sells to businesses. Rick Hutley, a Cisco vice president, chooses his desk according to which colleagues are present and what’s on the day’s agenda. Then he docks his Cius to a port on the desk that includes a phone handset. The tablet handles voice and video calls whether it’s docked or mobile, and it can be used to share documents at meetings. It can also be plugged into a monitor and keyboard to be used like a full PC. If he needs to make a private voice or video call, he can step into one of the rooms at the edges of the cluster. Hutley says: “You can walk around with your entire world with you in this device. My laptop would often stay on my desk, but the tablet never does.” Employees can also participate in the company’s corporate social network, Quad, which is accessible on the Web or through the iPhone, iPad, or Cius. People can post meeting requests, give status updates on projects, and quickly get in touch via instant messages, voice calls, or e-mail. Cisco’s vision is an example of a broader effort to reshape office technologies and environments. Prith Banerjee, leader of Hewlett-Packard’s research arm says, “We used to have boring stuff at work and more interesting technology at home. Now office technology will make use of the same cool experiences and interfaces.” Among other things, Banerjee predicts that flexible, paperlike colour displays will blur the boundary between phones and tablets in the next few years, creating mobile

devices even better suited to serving as an entire office in your pocket. Such changes could save a lot of money. Cisco’s project, for example, was launched after an internal study found that cubicles were vacant two-thirds of the time while people roamed the campus or worked remotely. Company calculations hold that the building used for the project can accommodate 140 employees, up from 88 in designs used in a traditional Cisco building, and that real estate costs would drop by 37 percent. Over the long term, Cisco hopes to save on health costs, too, because people who move around more frequently are less likely to suffer ergonomic problems. The company is planning to study whether the more mature technology of today can conquer resistance that hobbled previous attempts by companies to create offices where no one has private space. Meanwhile, office design firms are stepping in with complementary ideas. Steelcase, for example, is building office installations that allow for spontaneous meetings and collaboration in open areas. Mobile-device ports are integrated into conference tables or semiprivate pods, and some allow people to take turns projecting data on a common screen. m

This is prompted by limited office space, a growing awareness of a healthy working environment and peoples’ yearning for natural greenery as large blocks of flats replace suburban gardens. People have a growing need to incorporate natural elements in their place of work. The environmental benefits of Green wall installations have been well documented internationally. Today, many businesses welcome the associated cost-reducing benefits. The Green wall concept combines indoor vegetation and traditional office partitioning, establishing creative landscapes. Their design facilitates creative seasonal changes to the landscape. The Green wall system incorporates a trough enclosure, a cover and a modular system that allows individual irrigation, fertilisation and plant replacement if needed. Studies have shown that a green wall, filled with hundreds of plants, can reduce room temperatures by up to 45 degrees F and cut electric costs by 20 percent. In winter, the extra layer of air, between the wall

of plants and the building wall, acts as insulation and reduces escaping heat and incoming cold air. Studies have further shown that plants reduce stress and enhance the general well-being of people. Green wall systems therefore not only create a lovely peaceful environment to work in, but also increases employee productivity and reduce sick days. Nathalie Leblond, communication manager of Ambius, a division of Rentokil Initial which installs Green walls, says they are ideal space dividers for open space offices and reduce noise levels. “They also improve the working environment by absorbing carbon dioxide and producing clean oxygen. “Green walls can also be adapted to cope with the structural dilemmas associated with small spaces.You can construct a GreenWall with as little space as one square metre and it is fun to put plants up a wall! “Green walls are also ideal for events or promotions where you want to decorate small cubicles and attract attention. B-BBEE Bill Passed – Jail Term for Fronting

T

he B-BBEE Amendment Bill has been passed in parliament. It now goes to the Council of Provinces before the President signs it into law.

As with any new legislation, it must be tested in a court of law, but there are aspects of the bill that companies need to be aware of. The bill provides penalties for fronting: up to 10 years in jail and a fine of 10% of the company’s turnover. ‘Fronting practice’ means a transaction, arrangement or other act or conduct that directly or indirectly undermines or frustrates the achievement of the objectives of this Act or the implementation of any of the provisions of this Act, including but not limited to practices in connection with a B-BBEE initiative. It is important to look at what The Act states: (a) in terms of which black persons who are appointed to an enterprise are discouraged or inhibited from substantially participating in the core activities of that enterprise; (b) in terms of which the economic

benefits received as a result of the broadbased black economic empowerment status of an enterprise do not flow to black people in the ratio specified in the relevant legal documentation; (c) involving the conclusion of a legal relationship with a black person for the purpose of that enterprise achieving a certain level of broad-based black economic empowerment compliance without granting that black person the economic benefits that would reasonably be expected to be associated with the status or position held by that black person; or (d) involving the conclusion of an agreement with another enterprise in order to achieve or enhance broad-based black economic empowerment status in circumstances in which— (i) there are significant limitations, whether implicit or explicit, on the identity of suppliers, service providers, clients or customers; (ii) the maintenance of business operations is reasonably considered to be improbable, having regard to the resources available; (iii) the terms and conditions were not negotiated at arm’s length and on a fair and

reasonable basis; ‘knowing’, ‘knowingly’ or ‘knows’, when used with respect to a person, and in relation to a particular matter, means that the person either— (a) had actual knowledge of that matter; or (b) was in a position in which the person reasonably ought to have— (i) had actual knowledge; (ii) investigated the matter to an extent that would have provided the person with actual knowledge; or (iii) taken other measures which, if taken, would reasonably be expected to have provided the person with actual knowledge of the matter.’’ This follows the general principle that “ignorance of the law is no excuse”. A CEO cannot use as an excuse that his consultant, PA, HR expert or verification agency did the work and he does not understand the issues involved. If a BEE certificate comes from a company, the bill recognises that this is an important document that the CEO “ought” to have seen and been aware of. m

The 10 Unwritten Laws of Reputation Management You sell a product or service. You have customers. You need reputation management. Law #1 – Everyone has an online reputation We all have an online reputation to maintain. Don’t believe me, go ahead and “Google Yourself”. Even if you don’t find anything written about you, then that’s still your reputation – or lack thereof. In 2013, you should make sure that what’s found in Google, Facebook, Twitter et al is something you’d be equally comfortable showing your mom or your boss! Law #2 – Your reputation is an extension of your character It doesn’t matter how hard you work on managing your reputation, it will only ever be as solid as your actual character. Tiger Woods had a reputation of being the greatest golfer – and a family man. His character revealed otherwise. As Abraham Lincoln once said, “Character is like a tree and reputation like its shadow. The shadow is what we think of it; the tree is the real thing.” Law #3 – Every reputation has an Achilles heel While Toyota may have spent years telling us that its cars are the most reliable in the world, sticking gas pedals told a different story. In fact, even though Toyota tried to deny the increasing incidents of sticking accelerators, its customers were the ones steering the car manufacturer’s reputation in another direction. Instead of denying the issue, Toyota should have been the first to recognise it! When you recognise and acknowledge your weaknesses, before your customers, you have the opportunity to craft a response before the public outcry. Do you know your reputation’s weakness? Law #4 – Listen twice, act once Spend twice as much effort on listening as you do responding. It’s too easy to simply jump in and reply to that tweet or Facebook post – without fixing the underlying problem. Instead, you should spend

time actively listening to the feedback you’re collecting about your reputation. Listen for trends. Listen for opportunities. Listen, listen, listen – ok, that was three listens, but you get my point. When you actually take on board what your stakeholders are saying about your reputation, you do more than just fix a problem, you make sure you fix the underlying issue that created the problem in the first place! Law #5 – A crowd is louder than a solitary voice At some point every company realises the power of the crowd. You’ve heard of “crowd sourcing” right? Well, I call this “crowd voicing.” Simply put, your reputation is going to be far greater shaped by a crowd of opinions than one single voice. Your choice is to determine whether you want that crowd to be a choir or a lynch mob? By being proactive, by loving and nurturing your online community, you can build a harmony of satisfied customers – all willing to say great things about you. Alternatively, you can ignore your customers and wait until they become so angry, so disgusted by your actions, that they rise up against you. Law #6 – If you build it, they will come It’s 2013, do you know where your customers are? Have you built them a thriving Facebook community? Can they receive customer service via Twitter? Do you have a blog that keeps them updated on all the changes with your products? If you build an official, company supported social network, then your customers will know exactly where to head, should they have a question or complaint. When I had an issue with a FedEx delivery, I was delighted to find dedicated support on Twitter! Law #7 – If you don’t build it, they will If you decide not to embrace your reputation stakeholders, then Vol 97 - August 2013


business savvy you run a huge risk that they’ll create their own community. Not so bad, if you happen to have a strong reputation – Apple gets by with no official social media effort. But, it’s generally not a good idea to stick you head in the sand and ignore those that want to share their experiences with you. If your customer wants to complain about your abusive customer service reps they may well head to Facebook or Hellopeter. If you don’t have an official presence then you are leaving these dissatisfied customers to define your reputation for you! Resolve to discover where your customers like to “hang out” and then make sure you’re hanging with them! Law #8 – Your reputation WILL come under attack No matter how hard you try, your reputation will someday come

under attack. It’s happened to me – and I’m a reputation management consultant! In fact, Oxford Metrica warns that during the next five years, 83 percent of companies will face a crisis that will negatively impact its share price by 20 to 30 percent. I’m pretty sure BP didn’t think such a crisis could happen to it – and that’s a lot of profit at stake! Law #9 – Being stubborn is more expensive than saying “sorry” Oh United Airlines, what in the world were you thinking? Seriously! It would have cost you $1,200 to fix Dave Carroll’s guitar, but instead you refused to take responsibility. Two music videos and 10 million views later, you ended up with a tarnished reputation and apologised anyway. Don’t make the same mistake as United. When you receive a complaint from a customer, look beyond your pride. Look beyond the immediate expense of making the customer happy. Instead, ask yourself, what’s the worst case scenario here? What’s the lifetime value of this customer – value that would be lost. How could this hurt future sales, new customer acquisition, and your reputation? I’m pretty sure United Airlines wishes it could go back in time and coughup the $1,200. Law #10 – Three strikes and you’re out Fool me once, shame on you; fool me twice, shame on me. Fool me a third time and you may as well kiss your reputation goodbye. The unwritten law here is that most customers will forgive you the first time you screw-up. Some, will forgive you a second time it happens. Get to the third screw-up and yerrrrr out! Companies rarely re-brand when they have a great reputation! When you make a mistake, make sure you learn from it, tell your customers you have learned from it, and make sure you never repeat it! m

uy in bulk Volume discounts apply for most office supplies and cleaning products. Stock up your supply cupboards with a carton rather than buying each item individually. For example: one 5 litre bottle is always cheaper than five 1 litre bottles. You’ll get the same quantity for less.

need bin liners at all. Involve your cleaning contractor in your waste management solutions to help separate your recyclables at the source. Buy brand recommendations only. While refillable ink cartridges may be tempting, they are never endorsed by brand owners and while they may save costs in the short term they can incur hidden costs of having to repair the machine (without warranty guarantees), and lower yields.

You can also save on freight costs, man hours and telephone calls by ordering your office supplies in bulk less frequently rather than with multiple smaller deliveries. While most suppliers provide delivery services for free, you will be helping to reduce carbon emissions and excessive road use.

Reuse and share amongst staff Why buy new when you can reuse? Designate an area in your stationery supply cupboard for sharing office supplies (like file folders, binders, tape dispensers or paper clips) that can be re-used by other staff when a person leaves. Organising the supply cupboard helps, too; you won’t end up investing in a new box of blue pens only to find the box you ordered last time hidden under a higgledy-piggledy pile of stationery. Have a core list of retail products and manage it. Have an authority to purchase, i.e. someone charged with purchasing, and make it their responsibility to keep controls in place.

Know your usage patterns Plan ahead and order in new supplies before they run out. This will help you avoid having to go out and buy a small amount at a higher cost to tide you over until a new order comes in. It will also mean that you can order smarter, and you will be less likely to overstock on stationery you rarely use or which tends to last a long time. Choose refillable office stationery and products Choose stationery that can be refilled; for example pens, correction tape, cello tape holders etc. Refills are cheaper to buy. Don’t buy cleaning products with single use containers. Choose concentrated cleaning products and add your own water. Re-fill and re-use spray bottles over and over and reduce packaging waste. Get rid of disposable cups and instead use attractive glasses at the water cooler. Choose bio-degradable disposable products when reusable options are impractical. Your under-desk bin liners won’t need to be changed as frequently if you dispose of your lunch wrappers, food scraps and drink containers in a central waste station in your office. Paper recycling bins don’t

Choose your supplier or service provider well Don’t shop around every time. Do it once and do it well and review it every year. But don’t put up with poor service from your supplier while purely focusing on the price of the goods. Ask your office supplies provider to lock in prices on your most commonly used items in advance. Negotiate with your supplier as the more items you ask them to provide, such as coffee, tea, toilet paper, tissues and even alcohol, the better bargaining power you will have on your general office supplies. Request discounts if invoices are paid within 10 days of a print job or large stock order. Use less Avoid printing large amounts and spell check your documents before printing to avoid having to reprint. Print double-sided and on economy settings. Use scrap paper for Vol 97 - August 2013


how to printing where possible and appropriate. Recycle discarded paper by creating your own scribble pads with paper that has been printed on. Make your ink last longer by changing your computer’s printer settings to “black ink” only, and save on the cost of your printing ink consumables. If you’re printing out documents that only you’ll see, you probably don’t need colour ink or highpicture quality. Let your printer know up front how much of a specific paper you expect to use in the next quarter on outsourced print jobs. Once committed to the quantity, your printer can buy in bulk and provide you with cost savings. Committing to a certain paper usage is especially advisable when you have repetitive jobs, such as newsletters, which allow you to plan ahead very easily. Know standard price breaks The rule of thumb is: the longer the print run on your print job, the better the cost per unit will be. The same goes for paper prices. The more you buy, the better your pricing. So be aware of the general price breaks on offer: Get the designer involved in the best ways to use sheet sizes economically with the least amount of waste. To utilise your paper as best as you can, get your printer involved early on in the project and be open minded to adjusting the trim size of your piece.

Ask readers if they care Just like emailer and sms marketing provides opportunity to ‘unsubscribe’, offer the same service with your mail marketing. Reckless lending The National Credit Act requires that a credit provider must carry out a financial assessment to determine the extent or amount of credit that a credit applicant can afford before entering into a credit agreement with the applicant. In performing an affordability assessment, a credit provider must determine and take into account the following: • whether the applicant has a general understanding and appreciation of the risks and costs of the proposed credit, and of the rights and obligations of a consumer under a credit agreement; • the applicant’s debt repayment history; • the applicant’s existing financial means, prospects and obligations; and • whether the new credit agreement will cause the customer to become over-indebted. If a credit provider fails to do an affordability assessment before advancing credit to someone, the credit provider could be guilty of entering into a reckless credit agreement and if an agreement

Reckless lending is a claim that is available to debtors if they believe and can prove that a creditor has advanced credit to them without adhering to the National Credit Act. is declared reckless it may be fully or partially unenforceable, and the credit provider may lose all or part of the money advanced. The Courts may set aside all or some of the consumer’s obligations to repay the debt under the reckless agreement. It is important however that when the consumer is applying for credit – they must be open and honest and not conceal the fact that they are applying for credit in order to try and get out of debt for example – applying for another credit card in order to pay off a previous credit card debt – full disclosure and honesty is always a requirement when applying for credit. It has however been found that credit providers have not been lending money responsibly and unfortunately this has added to the increased number of defaulting debtors and impaired judgements – as per the statistics published by the National Credit Regulator. Should a consumer feel that they have been granted credit recklessly they must approach a debt counselor or the National Credit Regulator for assistance. m
