ABOUT

ISS (In Store System) is Paris Miki Philippines’ paperless web-based retail solution(s) that is accessible via iPad and Desktop. ISS (In Store System) includes appointment listing(s), customer & patient records for eye check up, order sales and order sales records, vision care plan, privileges system, product availability, staff management and store management functionalities.


FEATURES Gain more control by having a customize user abilities for every transaction.

User accounts and permissions

Customer/Patient Records

Control the information that the shop staff’s can access to by creating user accounts and define permission for every user role inside the shop. Permission levels varies from Admin, Shop Manager, Optometrist and Sales Staff.

Quickly add and search customer or patient records by keying in either of these keywords: customer Id, name, gender, birthdate,city and staff assisted.

User switching Increase accountabilities and employee performance by tracking through notifications of activities inside the shop.

Appointment List Book a prior reservation of your selected service type for eye consultation, product pick up. purchase order, maintenance or repair and VIP room usage to manage, schedule and track appointments easily.

Order Sales records Track and monitor recent order sales records easily by making it centralised and digitalized.

Engage your customers by rewarding them points to enhance shop experience

Access product information easily by checking item group between frames and sunglasses to check colors, sizes and stock availability.

Amplify your customer service by letting customers experience our very own Vision Care Plan where they can avail of various benefits in Paris Miki PH services and products.

Create user account by adding new staff and staff schedule easily. Control the information that they can access to by assigning positions to each shop staff. Enable quick profiling of branch records and schedule time registration of shop working hours.


User-Predefined Roles The Paris Miki Philippines’ ISS comes in three user-predefined roles:

MANAGER- who has a completes access in every feature except for the medical records that is only available in the Optometrist module. Add/Edit staff personnel and creates and set schedule for the shop’s woking hours, information and staff schedules. OPTOMETRISTcan view enlisted customer/patient in the appointment list and the only user role who has complete access of Patient Records Medical information. SALES STAFF- can enlist appointment reservation for (walk in’s), enlist and update order sales records, access product availability. All users in ISS is protected by a login authentication information using email and password that will be provided by your manager. For more assistance in adding user’s please check with Paris Miki Digital Team.


How to get started? Sign in to start your session. In your browser, in your iPad, type in (ehr.parismiki.ph) and press “Enter”. Provide the “email address” and “password” provided to you by Paris Miki Philippines Digital Team and tap “Submit”. After successfully signing in, you will be directed in the landing page where you can see the appointment calendar, the optometrist available for the time being and your main navigation bar on the left side of the screen.

Only accessible by Shop manager’s assigned in the retail branch of Paris Miki Philippines. Manager module is setup by the admin (if you are a manager and you still don’t have an ISS account, please consult with Paris Miki Digital Team). Manager Module APPOINTMENT LIST Add Appointment To add an appointment select the desired date in the appointment calendar by tapping a specific date. Select the type of service that you want to enlist an appointment and the desired time by tapping the blank space that matches the type of service and time. Check the pointer below.


Manager Module APPOINTMENT LIST Add Appointment A pop up form will show up to proceed with the appointment enlistment. If it is a new customer (meaning 1st time to visit in the shop), tap the “Add Customer” button. Use the “Search” button if the customer that you are going to assist, is not a first timer in the Paris Miki Ph retail shop.

Add Appointment > Profile Complete the Profile information of the customer by providing the following details. It will be best if you can take the customer’s photo. Ask them first before doing so to be polite. Tap “Save” to successfully register the customer and proceed to the “Spectacle and CL record”


Manager Module APPOINTMENT LIST Add Appointment > Profile > Spectacle and C.L record The Spectacle and CL record page logs the current spectacle and contact lenses information of the customer. This page can only be filled out by the manager and the sales staff. Tap “Add record” after successfully completing and tap “Back to Appointment” button to complete appointment enlistment.


Manager Module APPOINTMENT LIST Edit Appointment To edit the enlisted appointment, click the “Eye” button, select “Edit” and change the details in it. Change the new time and date that the customer preferred. You can also change the type of service in the new enlisted appointment to be.


Manager Module APPOINTMENT LIST Delete Appointment Delete appointment by tapping “Delete button”. A prompter will show to confirm the action. Tap “Remove” to continue. Only delete appointment if customer wants to cancel their appointment due to unforeseen circumstance.

Manager Module CUSTOMER RECORDS The Customer records holds all information and transaction made inside the Paris Miki Philippines shop. You use Customer records when you search for a particular customer or to know what kind of activities does a Paris Miki Philippines’ Customer transacted during the time of his/her visit by tapping “View”.

Synopsis of the data includes, last visit in the shop, shop staff who attended them in their previous visit and even the optometrist that attended to them last time is also recorded in this functionality.

Manager Module ORDER SALES RECORDS Order Sales Records Use Order Sales Records to log in, track and monitor order sales (out of stock items) that is requested by customers in the shop. Order Sales records helps you identify the kind of progress that occurs during ordering an item. Once order takes place, the order sales records will help you track what happens next to the item that you have ordered. Order Sales Records >Progress There are different progress activity function here that you have to be familiarized with: i. Reservation- order sales commencement date ii.Ordered- date when item has been made to HQ or Japan iii.Arrived - date when item has arrived to HQ iv.Processed - if the item has been prepared inside its package v.Contacted - if customer has been contacted vi.Completed - if order sales has been completed and sold to customer vii.Cancelled - if customer cancels the order sales

Manager Module PRODUCT AVAILABILITY Frames and Sunglasses To use Product availability, select a product type by tapping “F” (Frames) or “S” (Sunglasses) button, select the brand type or directly enter the “item code” of a particular product and tap “Search”. Your desired product list type, will appear after tapping “Search”. It will show you then if item is available and if how many colors and sizes goes along with it.

Manager Module STAFF MANAGEMENT Staff Management Staff management in the ISS aims to management shop employees that includes the branch’s reporting employees and their respective schedules. As the branch manager, you are expected to set the following information so the operation in the shop will run smoothly. Staff management is divided into two part here: a.Staff records - keeps all information about the branch’s reporting employees b.Staff schedule - keeps all shop employees schedules. The manager will set the working hours and day off of all Paris Miki Philippines shop employees.


Manager Module STAFF MANAGEMENT Staff Management > Staff Records In ISS’s Staff Records, you can search, add, edit and remove staff in a particular Paris Miki Philippines store branch. To add staff, tap the “Add New” button on the upper right of the screen. Fill out the necessary information below and don’t forget to upload the staff’s photo for better usage. From here, you can setup the login details of the staff to access their own ISS account by setting the password which can be found below. Once the form is completed, tap “Save” button.


Manager Module STAFF MANAGEMENT Staff Management > Staff Records The manager can edit staff information by tapping the “Edit” button. Once tapped, you will be directed to the profile of the particular staff records that you want to update. Don’t forget to tap “Save” button after every changes.


Manager Module STAFF MANAGEMENT Staff Management > Staff Schedule After successfully adding staff records, set up their respective schedule by tapping Staff Schedule under the Staff management link. Select their schedule manually by tapping whether they will be reporting: Opener, Midshift or Closer. The working shift can be modified in the Store management link. Decide staff day off by leaving the date blank and tap “Save� button to update the record.

Manager Module STORE MANAGEMENT Store Management The Store management holds all data regarding Paris Miki Philippines particular branch. Since, this is the first branch, IT team haven't enable the selection of other branches yet. Manager need to setup location map image and even mall map for a better and accurate geographical location , a data we need, to better provide shop location to customers. This is the module where you can also provide the schedule of the shop’s working hours by dividing them into opener shift, mid shift and closing shift. When all is set, tap “Save” to update record.

Manager Module MY PROFILE This module allows you to view the following:

My Profile > Schedule

i. Profile ii. Schedule iii.Recent Customer

View your schedule and other member’s schedule by tapping the “Schedule” tab. This will give you an overview of the working hours and rest day that you and other staff member’s have during a specific time.

Update your manager’s profile by tapping the “My Profile” in the main navigation bar located on the left side of the screen. Once updated, don’t forget to tap “Save” button.

Schedule’s may vary depending on Manager’s discretion but Paris Miki Philippines working hours is fixed. Only the staff’s reporting days may be changed.


Manager Module MY PROFILE My Profile > Schedule > All member’s If you are seeing blank times, this indicates day off’s for that specific staff member. You cannot modify staff schedule in this module, you can only view them. To modify it, kindly go to Staff Management and tap Staff schedule.

My Profile > Recent Customers This module will allow you to view your recent customer’s that you have assisted. It is like a history log from the latest to the oldest customers that you have assisted.
