STRUCTURE OF SCHOOL DAY

Buses arrive at school from 7:00am onwards

Secondary school students go straight to school for registration; KG students go straight to their classrooms; Grades 1 to 5 students assemble on the field adjacent to the car park and are escorted into the school by their teachers

All staff must register by 7:20 am using their staff ID card as lessons begin at 7:30 am There are nine lessons in the day, with a 20-minute morning break and a staggered lunch break School finishes at 2:30 pm and the extra-curricular activities programme (2:50 pm to 4:05 pm) begins once the term is underway.

FIRE PROCEDURES

There are detailed instructions in every classroom about the nearest fire exit point and signs indicating those exit points Each classroom has an assembly point Please familiarise yourself with the evacuation details for your classroom and the nearest call point should you discover a fire. In the event of an alarm, please assist your students to evacuate; do not stop to collect personal possessions. The Principal will give permission for students and staff to reenter the building when safe. There will be a whole school and boarding fire drill in each term

ATTENDANCE AND PUNCTUALITY

It is important for you to report to work on time and avoid unnecessary absences. The school recognizes that illness or other circumstances beyond your control may cause you to be absent from work from time to time. Excessive absenteeism or frequent tardiness puts an unnecessary strain on your co-workers. Whenever you know in advance that you are going to be absent, you should notify the school at the earliest opportunity

Application for leave must be made through the leave form available in the staff portal. Log into www.tisb.org to access the portal. PY (Primary Years) and Senior School teachers are required to set work and follow the set protocol If your absence is unexpected, you should attempt to send your leave application at the latest by 6:15 am Leave of absence should also come through the leave form available in the staff portal

Absence for more than three days, in the event of sickness needs to be accompanied by a medical certificate.

All staff will be issued with a staff ID which is used to mark your daily attendance (it is an expectation that all staff members will mark their attendance if they are on duty during the course of the day) and used to print documents from the school printers. It is essential that all staff members bring their staff ID to school every day and wear it during duty time.

Attending school events applicable to staff children studying in TISB

Staff who have children in the Primary School and Senior School are permitted to attend the events only if and when they are not on duty and are not teaching

Attendance of school events

All teachers are expected to attend all school assemblies

Teachers should work according to their individual timetable and attend classes promptly.

Teachers must cover classes if received a cover request from the Cover Manager

Attendance at staff meetings, school functions and parent-teacher meetings, whether held during or after school hours, is mandatory.

Punctuality is expected for all boarding duties, prep supervision, scheduled practices and rehearsals, and any other school events.

Staff wishing to swap duties in Boarding with other staff must obtain permission from the Head of Boarding

CONTRIBUTION TO VARIOUS SCHOOL EVENTS

Teachers are expected to contribute widely and enthusiastically to the planning and execution of all school events and to attend and support them All teachers are required to carry out supervisory/organisational duties as assigned by the Senior Leadership Team during school days, weekends and evenings as required.

TISB staff are role models for students and our appearance and demeanour give first, important impressions of the school to parents and the general public. Staff are expected to dress accordingly and maintain high standards of appearance at work and when on school business; the dress code is therefore formal and conservative. Refer Staff Code of Conduct available in the staff portal.

Guidelines for all staff members:

• Hair should be well groomed

• Hair colour should be of natural tones (brown or black). Extreme hair colour such as green, purple, pink, blue, etc. Are strictly prohibited

• TISB has an extended campus such as large number of steps, therefore, it is important that staff wear footwear that allows easy movement and is safe High heels are not recommended and care should be taken when wearing open shoes

• Denim, corduroy, stonewashed trousers, collarless/collared T-shirts are not permitted.

• Tattoos/skin decorations should be as far as possible concealed

• Provocative or revealing clothes are not permitted e g vest tops

• Logos or wording on clothing should not be offensive

Male staff

Trousers, shirt, tie, socks, and shoes should be worn. Hair should be trimmed at the nape and above the collar Long sideburns and unkempt facial hair are not permitted, beards should be kept short and trimmed or men should appear clean-shaven Trousers/pants should be fitted Except when required for religious/cultural purposes the wearing of earrings is discouraged

Female staff

The recommendation is to wear the sari/salwar kameez or smart western clothing. Skirts and dress length should not exceed more than 2" above the knee When worn earrings should be discreet

If the dress code is not followed,

· An informal alert will be sent from Senior Leadership Team

· Continuous disregard of the dress code may lead to formal written warning

COMPENSATION AND BENEFITS POLICY

All TISB employees are paid on the 5th of each month into a Standard Chartered salary bank account The benefits an Indian TISB staff receive are contribution towards employee’s provident fund and contribution towards gratuity. Staff children receive education scholarships only on school fees. Housing is provided free to staff living on campus. Consumables are charged for staff living on campus accommodation.

STAFF ALLERGY

Staff who have known severe allergic reaction (anaphylaxis) must register the information with the Medical Staff at the Medical Centre Where required, adrenaline is kept in the Medical Centre as the Nurses are trained to administer them.

GIFTS POLICY

Staff are requested not to accept or solicit gifts of any kind from a parent, supplier or vendor’s representative Contact the Principal for guidance when in doubt

TISB has a 24-hour emergency onsite Medical Center for students and staff

A medical team is present to look after the students If students require First Aid following a minor accident or injury, they should be taken to the Medical Center Medical Staff must record the incident and inform parents when first aid is administered, giving a brief description of the events leading to the accident/injury.

Medical Staff should adhere to the protocol of informing parents if their child sustains an injury at school.

Staff should not use the Medical Centre as a pharmacy i.e. as a source of OTC medication. The facilities of the Medical Centre can be used by both day and residential staff as long as the care of the students is not compromised Moreover, the cost of any treatment or medication is paid for by the member of staff

During holidays, when there are no students on campus there will be no Medical Centre cover for residential staff or families.

BREAKFAST, LUNCH, SNACK AND DINNER

Off campus staff are provided with snacks and lunch in school On-campus staff are provided with breakfast, snacks, lunch, and dinner

Breakfast is served between 6:30am – 07:10am on weekdays and 08:00am – 09:30am on weekends If there is Saturday school, then breakfast is served as per weekday timing. Lunch is served between 11:50am – 12:30pm on weekdays Weekend lunch is served between 12:30pm – 1:30pm. Dinner is served between 7:30pm – 8:10pm

ACCIDENT REPORTING AND RECORDING

All staff must be aware of the reporting of injuries. Accidents involving students, staff or visitors should be reported to the reception and then to the Medical Centre A form available in the staff portal should be completed for our records Minor accidents/incidents requiring first aid should be recorded with treatment details

EXPAT staff FRRO registration and paperwork is handled by the Principal’s Office EXPAT staff annual travel and beginning and end of contract travel arrangements are handled by HR

HOMEWORK POLICY FOR STUDENTS

Homework is set for students on a regular basis based on the homework policy of the school Policy is available in the staff portal

GUIDELINES FOR PTCS (PARENT TEACHER MEETINGS)

All staff members should be available for Saturday PTCs when they are scheduled on a working Saturday each term One PTC per term is conducted for each grade Deputy Principals, Grade Coordinators, CAS

Coordinator, EE Coordinator and CAS Coordinator, PSHME Coordinator and Head of Boarding will be required to be present for all the PTCs

SCHOOL BUS

SCHOOL BUS SAFETY AND CONDUCT PROTOCOLS FOR TEACHERS

Travelling on a school bus is a benefit and should not be assumed However, it is expected that all staff travelling on buses remain on duty to supervise the students and to uphold the school rules

The first teacher to board the school bus in the morning will be designated as the Teacher in Charge of that bus for the entire year.

All staff must be at the bus stops on time; the driver or governess should not be phoned to request a bus to wait for them

The bus governess will do all the administrative work, such as taking attendance and ensuring that all students wear seat belts However, the teacher in charge will make the any key decisions, will be the person to call the school to assistance and will be the point of contact if there are any problems

If the Teacher in Charge is absent, the second teacher to board the bus in the morning will assume the role of Assistant Teacher in Charge.2. If there is only one teacher on a bus, automatically, that teacher will be the bus in charge

It is mandatory to take attendance in the morning as well as in the evening Whilste the bus governess may be assigned to mark attendance, it is the responsibility of the Teacher in Charge to ensure that it is done correctly.

Make sure the school bus starts from TISB campus only after all the students have safely boarded the bus The bus can leave the campus only if all students are accounted for

If a student is absent and no communication has been received from the parent or student, the bus must wait for 10 minutes and can only depart after 2:40 pm

Teachers and students must not pressure the bus driver to depart if a student has not yet boarded The bus can start from the campus only if all students are present

Please do not keep your personal belongings on the adjacent seat, even if the seat is vacant. Please use the luggage rack or the floor.

All staff must wear the seatbelts and be positive role models for the students

Staff must ensure that students, staff, SAM Tours staff and parents communicate in a polite manner, any rudeness must be reported immediately.

All the students should be seated on the bus, with seatbelt on and must maintain discipline & decorum Please be observant that no child should put his/her body part or head outside the window

Students oflower gradesshould take their seats nearer to the exit door to facilitate smoother movement

In the case of any injury on the bus, first aid is to be given to the child by the teacher If there is an emergency, please reach out to the operational manager, Mr Naveen or any of the SLT members. Only authorized students/staff members should travel on the bus.

The official email id of the Teacher in Charge and the Assistant Teacher in Charge will be shared with parents for easy communication

Make sure that the bus driver obeys all traffic rules. Over speeding, using mobile phones or. Any violation of traffic rules or negligent driving by the driver must be brought to the notice of the school authorities immediately

CAR PARKING FACILITY FOR STAFF ON AND OFF CAMPUS

Staff have an allocated car park in the parking area. All vehicles are parked at owners’ risk and the school is not liable for any damage caused to vehicles using this area. On campus staff have a designated parking area and off campus staff are required to park in the main parking area near the big auditorium

iSAMS

iSAMS is the school management information system (MIS) with a suite of apps and portals used to do student registration, writing reports etc The Data Coordinator manages the system When in doubt reach out to the iSAMS Coordinator

PERSONNEL RECORDS

It is important that HR maintains accurate and confidential personnel records at all times You are responsible for notifying the HR Department of any change in name, home address, telephone number, medical details, or any other pertinent information.

PLAYGROUND, JUICE BREAK AND LUNCHTIME SUPERVISION

Staff must ensure the safety of students and must be vigilant when supervising in the playground or on the playing fields and staff should position themselves to allow for maximum supervision No children should be sent to or left in the playground unsupervised

STAFF COMMUNICATION WITH PARENTS AND STUDENTS

Any written communication with parents or students needs to be formal and remain factual in their statements. Under no circumstances should confidential documents such as Predicted Grades or Letters of Recommendation from teachers for college applications be shared with parents/students

THE ROLE OF THE FORM TUTOR

The Form Tutor/Class teacher is responsible for registration, checking the appearance and behaviour of the students under his/her care. Daily checks are essential. The emphasis should be on encouraging a sense of personal

responsibility and ethical awareness among the students. PSHME lessons are also delivered by Form Tutors.

SAT EXAMINATIONS IN TISB

TISB is a registered SAT Centre In order to run the assessment, and at various times we require staff members to volunteer, however, there is an additional payment for these duties from College Board In an academic year there are 6 SAT assessments conducted in TISB. When volunteering for SAT duties there should be no clash with any school commitments that you are involved in, preferably choosing your SAT on your weekend off days

TRAINING COURSES AND WORKSHOPS

It is essential that teachers attend in-service courses and so the school will nominate staff to attend workshops It is expected that after going for a workshop, a report is submitted to the Principal and feedback of the workshop is shared among colleagues in the form of discussions and in-house training. As a policy of the school a staff member nominated to attend training course and workshops will be expected to sign an indemnity bond before commencement of the training/workshop

WORKING SATURDAYS

PY, Senior School, Admin & Boarding Staff are expected to work on specific Saturdays A schedule is published for staff at the beginning of an academic year which can be accessed in the staff portal Boarding Staff members have allocated weekend working duty rosters.

ICT ACCEPTABLE USE POLICY – STAFF

All organisations (including schools) where computers are in use are advised to have a code of practice such as this. It is necessary to outline the principles underpinning appropriate computer use, make expectations clear and ensure users are fully aware of the consequences of not following the code of practice and indulging in computer misuse All TISB staff must sign a copy of this policy (The policy is available on the staff portal/page no 8 of this document)

USE OF THE INTERNET

Staff must ensure that sites accessed have appropriate content and that students are not left unsupervised if accessing the internet Staff must not download and install any software on the school machines Should there be any requirement, they should contact the Network Manager

WORKSPACE

You are responsible for maintaining the workspace assigned to you. A clean, orderly workspace provides an environment conducive to working efficiently. You should keep in mind that your workspace is part of a professional environment Therefore, your workspace should be clean, organised and free of items that are not required

OFFICE EQUIPMENT

The school expects that any equipment assigned to staff members, such as a desktop computer, laptop, Interactive Panel stylus, telephones, cameras, projectors, speaker, UPS etc are handled with utmost care and report any malfunctions immediately to the Network Manager. Staff will be held personally liable for any damage caused. All the equipment is property of the school, and it is prohibited for staff to interfere with any type of hardware connections or movement of any equipment without prior approval from the Network Manager

PRINTING SYSTEM

There are 5 printers in the school 2 in Senior School ,1 in PY, 1 in the senior school library (this printer is mainly for students use and staff should refrain from using this as much as possible. Mainly when printing sensitive documents and question papers) and 1 in the admin block. The printer setup is already programmed. To print through your laptops, you are requested to receive details from the Network Department The printers will only work if you swipe your respective staff ID cards issued to you

STATIONERY

The Store is responsible for distributing stationery A termly stationery requisition, or in PY a monthly stationary requisition is raised through the respective HODs/Coordinators at the end of the previous term.

ERP SYSTEM

Line Managers are expected to train their respective staff members to use the ERP system Stationery Orders/equipment orders etc are all processed through the ERP system When in doubt reach out to the ERP Coordinator.

APPRAISAL PROCESS AND PROBATION

On joining TISB for any position in Teaching, Boarding or Administration, you will be on probation for 1 year from the date of joining The probation period may be extended at the management's discretion based on your performance during the probation period On successful completion of the probation period, you are likely to be confirmed as a permanent staff member Increments are dependent upon performance and appraisal and are only made in September of each academic year.

Appraisal process

– Teaching Staff

Announced and unannounced class observations are completed by the respective HOD A Probationary target is followed throughout the year managed by HOD and Deputy Principal PY and Senior School.

Before completion of 1 year of probation the Deputy Principal PY shares the compiled details with HR which is sent to Principal for final recommendation HOD and Deputy Principals of PY and Senior school conduct appraisal meetings for Staff Members

Appraisal process – Non-Teaching

Staff

The Principal conducts appraisal meetings for Senior Leadership Team. Admin staff appraisal are conducted by the Line Manager, Principal decides the final recommendation Boarding staff probation appraisal meetings are conducted by Deputy Principal Pastoral and Head of Boarding and shares the compiled details with HR which is sent to Principal for final recommendation

RENEWAL OF CONTRACT

All appraisal meetings for 4-year renewal of contract are done by the Principal

Process for Superannuated staff:

STAFF ON DEPUTATION FOR HIGHER STUDIES AND TRAINING – INDEMNITY BOND REGISTRATION OF AN ONLINE/OFFLINE COURSE/TRAINING

• Coordinators identify programme or training course and after obtaining Principal’s approval registers staff members for the event.

• Coordinators finalize list of participants on merit and those staff who are willing to sign the Indemnity Bond

• Bursary prepares Indemnity Bond with approved cost for each participant and hands over to the coordinators for signature by the concerned Staff. Indemnity Bond document signed by the participant Staff returned to Bursary by Coordinator

• Timely Submission of Signed Indemnity Bond is a prerequisite to initiate payments by Bursary.

• Bond documentation is not mandatory for any programmes or training where the total expenses incurred are less than Rs 25,000/-

• Bursary arranges payments for registration, travel, accommodation as per Approved Cost Sheet.

• Administrative assistant makes travel and accommodation arrangements.

• Bursary maintain Indemnity Bond Register with reference to each programme attended by each staff member.

• Indemnity Bond will form part of the Personal File maintained by HR

Parents are our customers, and they deserve the best customer service. Often a kind word can quickly diffuse a difficult situation. Word of mouth is our biggest asset but can also be our biggest concern.

It is important to remember that whenever you communicate with parents it should be with the utmost politeness and professionalism.

Social Media Guidelines

As senior leaders and faculty of TISB, we are all potential brand ambassadors of our school We are seen and heard everywhere, especially on digital platforms But how many of us know how to navigate the fine balance between workplace etiquette and individual expression? As part of brand advocacy and strategy, we recommend a few guidelines on how we present ourselves, our work stories, and our school culture and ethos responsibly, positively, inclusively, and respectfully.

Opening an account

As you are opening an account in your individual/personal capacity on Instagram, Facebook, Twitter, Tik-Tok or Pinterest, do not include your school’s name in any manner, either as a prefix or suffix

In description, do not describe yourself as a teacher at TISB. Mention in the description that the views you express are purely personal

Platforms like Instagram allow you to keep your account private This means your posts are visible only to those you allow as followers. If a student or a parent attempts to follow you, unfollow them.

We should always be aware of our privacy settings. Even when we restrict certain people's viewing capabilities, they are often still accessible to people outside our inner circle Many social media apps change their settings quite frequently, so we must make sure our profile is up to date on the latest privacy settings Do not let your guard down under any circumstances. Be always on the vigil.

Followers and Following

Your personal social media accounts are for your personal use and only for family and friends Do not accept friend requests from students or parents This applies to students of all ages It is essential to sensitise students that they cannot follow you on social media until after they graduate

Inappropriate communications between teachers and students on social media platforms can potentially be considered a criminal offence and can impact both you and the School

Posting, Reposting & Comments

Do not upload photographs that compromise your image as a teacher or the school’s image as a reputed and responsible Institution. Do not post photographs of students or parents taken with you on your personal social media handles, even if the student and/or the parent has consented to you posting them online.

Confidential information about schoolwork or processes is not for public consumption This includes information about parents, students, colleagues, financial information, school events, academic initiatives, school growth plans, or other private communication within the leadership team. It should not be discussed on any forum, including WhatsApp.

We need to stay vigilant about intellectual property belonging to the school and copyrights and trademarks belonging to outside vendors that we cannot use on personal posts for publicity or financial compensation Be civil when you encounter negative comments or inappropriate comments Do not engage in a public spat with such individuals. You are in control of your account. You can delete them and unfriend/block such individuals. Public displays of anger, frustration, personal animosity, etc, should be avoided entirely.

While you can post or reshare posts published on the School’s official handle, keep the Social Media informed of any adverse comments such posts receive

When you share such posts, refrain from adding your comments or opinions It is best to re-share/re-post without expressing any opinion.

Do not tag the school handle on any of your posts

It is important not to let your personal preferences, prejudices, or opinions do not impact the image and reputation of the School. If such situations or instances occur, inform the School Leadership immediately in writing.

Non-adherence or partial adherence to these guidelines can attract disciplinary action, including termination

TISB has an active social media & web presence handled by professionals. TISB staff is also expected to help maintain the presence by sharing photos and information with the person in charge.
