Component #1: Pre-Workshop Webinar Session PRE-WORKSHOP INTERVENTION (45 minutes)

2-3 weeks before Workshop commencement, there will be a live Webinar session with the Facilitator to introduce the C3 Workshop methodology and the use of its associated and specific/ unique Wiki. This will allow a full pre-briefing to all participants and those unable to dial in for the session can listen to a timed recording.

To onboard the participants to the Workshop and to the other people attending in their associated cohort group

To define the roles and expectations of the leaders in maximising collaborative communication(s) and its association to satisfying the learning need of a lack of communication(s) in the workplace and achieving a Teachable Point Of View

To introduce the various components and learning methods used in the programme – maximising collaborative technologies, including the ongoing Wiki development

To answer any initial questions on the programme in a live environment with optional instant messaging/chat box networking and understanding Wiki development and collaboration in a learning environment

This session will be conducted by both the client-led Project Leader and Peoplematters Plus Facilitator, who will brief the participants using webinar technology (using the intuitive Mikogo live meeting software – no hardware required). Pre-workshop briefing with all participants containing the following:

Introduction to the programme and the C3 Journey ( a timeline showing the duration and various key milestones and learning events) and alignment to satisfaction of the learning need

Roles and expectations of line managers in maximising communications using C3

Introduction of Support Guide For Line Managers and Performance & Accreditation Tracker (used to verify their competence against performance management standards by their line manager to increase workplace communications).

Introduction of e-Workbooks for participants to use throughout the programme (including aforementioned Performance & Accreditation Tracker)

What’s a Wiki and how to use, edit and collaborate on the C3 Wiki

The programme will require the participants to have a raised awareness of the purpose and nature of this conference/classroom intervention and how it will be done in bite-sized sessions through a variety of technology-enabled learning. This also gives the programme to opportunity to ensure completion of pre-workshop activities and to create a buzz for the programme. This will include measuring their success using a Performance And Accreditation Tracker, leading to a measureable improvement in collaborative workplace communication.

Group Size All participants in a cohort group of approximately 24 people.

Component #2: Raising The Bar On Collaborative Communication(s)

DURING (AND POST) WORKSHOP INTERVENTION (2 hours)

Description

This is a half-day HIT AND STICK bite-sized instructor-led workshop using professional actors to role-play specific participant-created scenarios for collaboratively communicating across an organisation. To take place two weeks after Pre-Workshop

Session

To practise using collaborative verbal communication and see your communication ‘gap’

Objectives

To be able to deal with different types of communication ‘breakdowns’ and create committed actions based on video-recorded feedback

Method

This is a face-to-face workshop involving professional actors and a Peoplematters Plus Facilitator. As the session involves individual practice of 30 minutes, with video recorded method using flip cameras the group size is 4 participants per actor. Face-to-face workshop with the following exercises:

Exercises

Pre-workshop activity – each participant will complete a template that describes a current/intended communication issue or one that they generally find difficult to handle. This will ask which areas require improvement and which corporate behaviours are misaligned. In addition, a general character description. This should be conducted at least two weeks prior to workshop so that the actors can read the roles and get into the role/behaviours of this individual

Introduction by facilitator and brief 10-minute session on how to use structured feedback and the five key stages of an collaborative communication conversation

Then an introduction to actors (4-6 syndicate rooms required) who will be playing each person’s role (from pre-workshop activity) and then in groups of 3, the participants will role-play the communication issue with the actor. This will be a 20-minute discussion followed by a 10 minute feedback session from the other 2-3 participants in the room (who will be acting as observers and giving feedback at the end of each session). They should include how the active participant used their communication skills

Facilitators and actors to give constructive feedback after each session (therefore 2 facilitators may be required)

Action planning session using the Wiki and preparation for post-workshop discussion with line manager and the edited digital video recording of the session given to the participant.

These role-plays will test for effectiveness of intrapersonal and interpersonal communication.

Rationale

The use of professional actors and video recording the role-play makes for a more real experience as it is a big leap for another participant to play a character role. This has proved to be very effective learning transfer for the participants as they get to realplay a live/development behavioural scenario rather than assume a role-play in a simulated scenario. Facilitated instruction also given on how to edit video footage. This session is a great opportunity to practise alternative tactics and skills in a safe training room environment and to ‘learn’ after the programme with their self-analysis and 360-degree feedback from peers and line managers.

Component #3: Collaborative Communication Digital Learning Game – Making The Link From Competencies & Values To Collaboration PRE- OR POST-WORKSHOP INTERVENTION (30 minutes)

Description

This is a computer-based training (CBT) event where the participants complete an online game, called Uncollaborative Snakes & Effective Communication Ladders. The event includes a competitive timed completion with a ‘Top Scores’ session like an 80s style video arcade game and a diagnostic multiple choice questionnaire with collaboration values and collaborative competencies matching activity.

To be able to give subordinates examples of both required levels of collaborative behaviours with their associated values and explain how these are important to maximising collaborative communication

To be able to role-model the required collaboration values for those you manage and work alongside

Session Objectives

Method

This is an e-learning module where the participants have to compete in a ‘Snakes n Ladders’ online board game linking collaborative behaviours and values. This involves completion of an online questionnaire and confirmation form that this component has been completed. An online computer based learning solution with the following activities:

The Snakes & Ladders game – with virtual dice. Where the participant does not land on a snake or ladder, the space will contain a ‘linking’ example of a collaborative value with a collaborative competency (relevant ones and required levels of behaviour). There will be 50 squares. Where the participant lands on a ladder, they will be given a multiple choice question asking for the appropriate linking behaviour and value or they don’t ‘go up’. For the snakes, the participants won’t have to go down the snakes if they can identify the inappropriate example/behaviour of a linking behavioural and value. The game will also contain a ‘Fastest Time Scoreboard’ or ‘Top Score’ like an 80s arcade game like Space Invaders/Pacman

This will be followed by an online multiple choice questionnaire, asking the participants to identify the most appropriate collaborative communications, behaviours and values – all results (cultural sensitivity around anonymity depending on client) displayed and updated on Wiki and outputs shared on Wiki.

Exercises

One of the key objectives of the overall programme is to align collaborative competencies with collaborative values. Collaborative Values are also one of the key components of the ‘Teachable Point Of View’.

This session allows the participants to experience a computer-based training experience alongside the face-to-face bite-sized sessions and this is a great pre-cursor for the next component on creating effective collaborative communication plans and further develops the Wiki, which has been and will continue to the driver of continuous collaborative communication before, during and after this learning intervention.

C3 Workshop: TNA Identified Lack of Collaborative Communication Component #4: Instant Messaging Coaching Session & Cohort Chat

Room (2 hours: POST-WORKSHOPCoaching Session and POST-WORKSHOP: Cohort Chat Rooms INTERVENTIONS )

Description

This is a interim/half-way update conducted at this stage of the programme for the participants to receive both further coaching from the Peoplematters Plus Facilitators/experienced internal SME coach (for the Coaching Session) and to also share their experiences/updates with each other with the Cohort Chat Room within the Wiki. This consolidates both their challenges/ obstacles via both mechanisms/methods.

Instant Messaging Coaching Session

Session Objectives

To receive further coaching support from a Peoplematters Plus/internal expert to have an interactive instant messaging session, allowing for instant responses to coaching challenges and barriers to success in implementing action plans identified thus far in the programme

Cohort Chat Room/Blogs

To allow the participants to share their experiences in their cohort group and identify workable solutions to managing continuing communication issues and continually raise the bar to provide cohesive and effective collaborative workplace communication(s)

This utilises instant messaging service and two distinct ways for this programme:

Method

For the Instant Messaging Coaching Session this is an opportunity for the cohort to speak to their Facilitator from the face-to-face components for their latest challenges and involves the whole cohort ‘messaging in’ at the same time. For the Cohort Chat Rooms, this is the origins of the group creating a shared site for them to either instant message or email each other for support and creating a network or Learning Support Group (sometimes referred to as an Action Learning Set). All of this is ‘hosted’ on the Wiki. An online session using Instant Messaging technology with the following exercises:

Exercises

Coaching Session – allows the participants to ask questions to a Subject Matter Expert and share coaching solutions across the cohort group (as some challenges will be shared by more than one member of the group).

Cohort Chat Rooms – an ongoing learning support tool for the participants to share current and predicted miscommunication and general communication issues and to post responses. This will then be available for the remainder of the programme as they progress through the other components and may require sharing their experiences/ challenges/ obstacles as they develop their skills.

Cohort Chat Rooms/Blogs

Rationale

In collaborative communication programmes where there is a Learning Support Group; this is often done via a central email but not conducive to more than one example from each person who replies. This can lead to both delayed and ‘clogged-up’ inboxes. This instant messaging service/chat room can allow a topic to ‘build up’ and for the participant posting the question to receive a range of solutions from different leadership styles and cohort members.

Instant Messaging Coaching Session The instant messaging coaching session allows the participant to take part in receiving further guidance from the Peoplematters Plus Facilitators and an internal SME on internal communications. This results in an excellent means of a Programme Progress Check as they progress into the next component of creating effective communication plans and identifies some strategies prior to attendance.

Component #5: Creating Wiki(ed) Effective Communication(s) PRE- OR POST-WORKSHOP INTERVENTION (1.5 hours)

Description

Session Objectives

Method

This is a 1.5 hour online brainstorming session using a Wiki and/or GoogleWave (or similar software) dealing with the subject of creating effective communication plans. This explores the importance of understanding the creation of collaborative communication(s) plans and conversations using NLP and advanced communication techniques.

To be able to identify effective (or ‘Wiki-ed’) communication(s) strategies in a collaborative technology environment.

To identify workable and timely interventions for creating effective communication plans, both in the short-term for improving communication issues and to feed into the annual organisational development, staff and customer satisfaction and individual performance development reviews

This uses the existing Wiki (enabled by GoogleWave) with two Peoplematters Plus facilitators conducting a Creating Effective Communications Plans brainstorming session using a range of interactive and insightful games and exercises – optional VOIP. Brainstorming Wiki exercises, including:

Collaboratively Communicating In Line With Goals & Customer Strategies – based on a group Case Study exercise on identifying solutions for particular communication issues and what to include in the team’s communication plans

How To Create An Effective Communication Plan – participants (as a pre-workshop activity) will be asked to bring a current communication plan/performance solution for a team communication issue and brainstorm best-practice examples of effective and most importantly collaborative communication plans. Then the participants can compare and contrast their pre-workshop activity and benchmark their capability in conducting effective communication discussions and plans.

Another key purpose of the programme is for the participants to create more effective communication plans, both for specific communication issues and to feed into the overall collaborative communication strategy. Key to this is aligning these to the organisation’s goals and customer strategies. 12 Participants x 2 Courses (could be held in one-day)

Component# 6: Post-Programme Webinar Session POST-WORKSHOP INTERVENTION (90 minutes)

Method

This webinar session would be used to ‘set’ the post-workshop activities using the Wiki, ask participants what their views/concerns on the programme are to date, creating an action learning set on the Wiki from the cohort for future meetings and have a post-course discussion with their line manager.

To have post-programme briefing with Peoplematters Plus Facilitator and Project Leader on highlights and have a summary of each individual in the cohort’s primary learning outputs using the Wiki

To create an individual Collaboration ‘Teachable Point of View’ to cascade to their teams and align these to Journey to One values.

To set agreed frequency of future Wiki mentoring support with Learning Support Group and internal/identified mentors after the programme with ‘guest’ Wiki blogs, podcasts and webinar ‘slots’.

This session will be conducted by both the Project Leader and Peoplematters Plus Facilitator, who will brief the participants using webinar technology and ‘signpost’ the importance of continuing the Wiki. Webex Session and Computer Based Learning (hosted and ‘placed’ on the Wiki) with the following activities:

Video Freeze Frame Activity: further e-learning post-programme exercise where participants have to ‘spot’ the errors in a poorly managed communication discussion (on video by the professional acting company) from a typical ongoing communication scenario.

This video will be available on the Wiki and used as the basis for a ‘video comments blog’.

At the end of the formal learning (face-to-face workshops, computer based training) there is often an opportunity missed to liaise with the cohort groups and to identify next steps in achieving the goals of becoming a more effective manager of performance, and be able to align Journey to One and Teachable Point Of View principles into the performance management cycle. This session also explains where future support will be given and postworkshop activities that will enhance learning experiences and give a better chance of achieving agreed actions from the programme.

C3 Workshop: TNA Identified Lack of Collaborative Communication Component #7: Supporting Your Learning Using Podcast/Digital

Recording/Memory Stick (Podcast/Digital Recording: 45 minutes to view) (Memory Stick as useful aid and to support the e-Workbook)

Description

These tools are useful post-course ‘aids’ to consolidate the learning and provide extra post-course support (available as CPD link on Wiki). They will allow the participants in each cohort to have a number of useful resources to enhance their chances of future success in maximising communication(s) more effectively in the workplace.

To provide participants with a practical toolkit using a number of collaborative technologies and utilise technology available to reduce number of traditional materials such as manuals, handouts and paper-based resources and place them on a Wiki

To provide practical and creative tips for future messagse with a variety of digital and audio media and conduct the post-course Video Freeze Frame Activity (as aforementioned in Component #6)

Session Objectives

The methods for this session vary in three distinct ways:

Podcast: Where MP3 Players are available in the Learner population Digital Recording: Digital Player Such As iTunes, Windows Media Player or equivalent required to view recording. The following activities/tools are provided in this component (placed on Wiki):

Podcasts – creative tips, further research/useful websites (Intranet and Internet), sample best practise communication plans, communication models to improve quality of workplace conversations e.g. STAR and 5 stages of an effective communication discussion, ‘Spot the Communication Mistakes’/Video Freeze Frame Activity, communication skills questionnaires (analysing your skills), testimony of programme – your key learning point and biggest success (to be returned on competition sheet where best response wins a ‘Special Prize’)

Digital Recording – as above, where iTunes [iPod library and software] or other Podcast players not available e.g. through DVD playing software such as Windows Media Player

Memory Stick – as above (but for the participants in each cohort to have an electronic and portable learning resource with the Wiki saved with the video recordings, brainstorming sessions and general updates to the Wiki. This will contain all course material and lists of resources and also can be branded as C3. Headphones could also be available so delegates can listen without causing interruption in their environment (again could be branded)

Video Freeze-Frame Activity – post-course activity available on all three proposed media

Learning programmes are often not supported by either post-course activities or useful resources to ensure that identified actions from a learning programme are met. These media, along with the continued development of the Wiki are both technologically advanced methods of learning and also more interactive and can be done at their own desk as part of computer based learning. There are also further resources for them to explore, both online and through reading academic and management textbooks on this subject.
