How to Use These Charts

Function Room Space Requirements

Locate the percentage associated with the makeup of your group and multiply that percentage by your overall attendance. Divide the resulting number by 20 (six-ounce cups per gallon) to determine the number of gallons needed. Round each partial gallon up to the next highest half-gallon. For example, for a morning break at a conference that has an audience of 500 predominately male attendees, the formula should be calculated as follows:

SET-UP STYLE

SPACE PER PERSON

Reception

9 to 10 sq. ft.

Theater – less than 60 people

12 to 13 sq. ft.

Regular Coffee: 500 x 60% = 300 cups = 15 gallons

Theater – 60-300 people

11 to 12 sq. ft.

Theater – more than 300 people

10 to 11 sq. ft.

Decaf Coffee: 500 x 20% = 100 cups = 5 gallons

Schoolroom – general

17 to 22 sq. ft.

Schoolroom – less than 60 people

22 to 23 sq. ft.

Tea: 500 x 10% = 50 cups = 2.5 gallons

Schoolroom – 60-300 people

20 to 21 sq. ft.

Schoolroom – more than 300 people

17 to 18 sq. ft.

Soda: 500 x 25% = 125 sodas
