Assessment feedback loop Results based on required passing levels on assessments are routed back to the user advising them if they passed, need to retake, or consider trying an assessment at a lower level (applies to Expert and Proficient levels).

Assessment selection automated workflow (UW hopper) During the on boarding process a new user makes a "declaration" of industry - service - skill level choice. It is likely, and expected, that users will have numerous industry - service - skill combinations. The learning engine sees these as assessment requests and automatically routes an alert(s) (via the UW message buss) to the user to take their qualifying assessment.

Competitive framework, local labor Skill qualification (see assessment selection) falls into three major categories (fundamental, proficient, expert) and ten levels (IE proficient lvel five). As described in the UW hopper work activity these levels are associated to work types and determine if a company is a candidate or not for the work in the hopper. The current levels of companies are displayed for all to see.

Competitive framework, supplier (materials) As with the competitive frameworks for local labor and peer to peer the suppliers are assessed in the same manner. However, the impact for a supplier is considerably different. As the procurement system provides the possible suppliers for material requests they pass over to UW where they are combined with the suppliers community score (standing). The result produces a "good-fair-poor" ranking for the field user to choose. Good provides positive field user points, poor provides negative field user points.

Dynamic BI, Individual learning performance The Learning Spot feeds active data constantly to the UW Learning screen where it is reveled on a set of tiles. Hundreds of inputs contribute events which have positive or negative total points impact. Outside of the psychological impact of community viewed points, users compete for position and the UW hopper based work activity favors those with the highest standing (as measured by their UW points). Community standing events are dependent upon input variables pulling from UW native and connected UW environments.

Having a well prepared workforce with access to a robust curricula and transparent tracking of training gives employees an opportunity for growth and visibility to compliance by management. At ABM, a Learning Management System (LMS) is used to deliver formalized training in various formats. Branded as “The Learning Spot” (TLS), users can sign on through Unified Workforce (UW) and have access to learning content in curricula that fits their service, industry and level of proficiency. The effective onboarding of users into TLS is the first step in ensuring they are properly introduced to and well prepared for their initial and long-term use of the LMS. This Work Instruction (WI) defines the onboarding process in the use of TLS through Unified Workforce (UW). 2.0 RESPONSIBILITIES 2.1 TASK RESPONSIBILITIES x x x

It is the responsibility of all ABM employees to read and understand the provisions of this WI. It is the responsibility of all ABM employees in a training, educational or human resources role to read, understand and ensure compliance to the provisions of this WI. It is the responsibility of the Corporate Education Manager to ensure that the LMS is functioning effectively and all employees are properly on boarded for long-term adoption.

3.0 PROCEDURE (SOP OR WI STEPS) 3.1 WHAT IS FORMAL LEARNING? As a Unified Workforce component, Learning is categorized into two types: x Formal x Dynamic At ABM, Formal Learning is delivered through The Learning Spot (TLS), a Learning Management System that provides learning content via training courses, while Dynamic Learning includes spontaneous or organic training that is delivered with rich media content through Contextual Learning in Unified Workforce. TLS is a cloud-based, multi-language learning management solution that manages all aspects of formal learning across ABM. 3.2 ACCESS TO FORMAL LEARNING OR TLS Any internal or external user through a registration process can gain access to TLS via Unified Workforce or UW. Internal users include employees while external users may include Clients, Franchisees, Local Labor and Vendors. The single-sign on feature of UW allows a user to have access to several UW components including TLS, regardless of whether ABM credentials have been issued. There are two ways a user can gain access to TLS depending on the purpose of initial use: x

Individual user access – individuals can gain access to TLS through a self-registration process in UW; see Section 3.6 on how to do so. Users who need individual access are either employees who are newly hired (or require access to learning content outside the process of a TLS deployment for a division, department or specific purpose), or an external user who requires new access. Batch import access – an entire group of users via their division, service line or department can be imported as a batch into UW when deployment of TLS is required for a specific purpose. See Section 3.7 on the process of UW batch imports.

3.3 LEVELS OF ONBOARDING There are two levels of onboarding depending on the purpose of initial access to TLS. x

TLS Deployment via a Solution Supporter (see Section 3.4 for the Solution Supporters’ Role) - To ensure the effective long-term use and continued adoption of solutions like TLS, the EASI Program is leveraged to identify Solution Supporters who will assist in the onboarding process. Solution Supporters are members of the division, department or location that is deploying TLS to a group of employees who are within their purview. Individual User Onboarding – When individual user access is required outside the process of a deliberate TLS deployment, for example in the case of a new hire, a user can be on boarded through a self-registration process. See Section 3.7 below.

3.4 CRITICAL ROLE OF SOLUTION SUPPORTERS An important aspect of any initiative is building a partnership with representatives of the group who will be using a new solution. With any solution implemented by ABM Learning and Quality, the identification of Supporters and their induction into the EASI (Evangelists, Advocates, and Supporters Influence) Program is a critical step in the onboarding process. In general, the Supporters role includes:

3.5 MASS COMMUNICATION TO TARGET AUDIENCE An equally important aspect of onboarding and initiative management in general, is providing awareness to the affected or target audience in a timely and sequential manner. To this end, a series of email announcements are used to not only prepare new TLS users but also to get them excited about the release of a new solution or new learning content. There are six announcements available as email templates with each serving a different purpose – see Section 3.5 below on how these will be used. Implementation Phase – these first three announcements are sent during the Implementation Phase: 1st Something New – introduces a new solution, product or service 2nd Comin’ Around The Corner – used as a progress indicator 3rd Ready to Flip the Switch – provides end user preparatory information Deployment Phase – these second three announcements are sent during the Deployment and PostDeployment Phases: 4th Get Excited! – designed to create excitement and inform of impending go live 5th It’s aLIVE! – communicates official release and the usability of solution 6th Mainstreamed – sent by the Corporate Quality Manager during the post-deployment phase, provides a review of the statistics and how the solution is being used based on performance indicators (see Section 5.0 to view additional information referenced in a separate standard)

Access to Unified Workforce All components of UW are accessible only through UW. Therefore, new members must first onboard to UW before specifically accessing components such as Formal Learning or The Learning Spot. Configuration Dependencies 3.2.1

User Profile The personalized experience in UW and TLS is dependent on an effective onboarding process which starts with the accuracy of a user’s profile. During the onboarding process, each UW member’s profile information determines their access to certain information within UW and TLS and how information is displayed whenever they are in UW. The items listed below prompt the user’s experience and access to activity and information: x x x x x

The user’s profile information listed above can be obtained either through a selfregistration process or a batch import process when an entire location is implementing the use of TLS. See Section 5.0 to read WI-ABM-1507 Onboarding Formal Learning work instruction for more information. * A UW user does not have to declare his Base Proficiency or Proficiency Level if the sole purpose for using UW is the enrollment in and completion of TLS Courses. 3.2.2

Proficiency and Assessment As with any training, a student’s proficiency in a specific area of interest dictates the type of learning content that is conducive to his/her aptitude. In UW, a user’s base proficiency and proficiency level combined with the industry, service, and role, personalize the educational experience to suit the user’s learning and growth. In addition, if the user is engaged in work activity, the proficiency level can also dictate his participation in the Work Activity Queue. During the on boarding process, a new user makes a "declaration" of industry, service, and skill level based on a default list of choices. It is likely, and expected, that users will have numerous industry - service - skill combinations. The learning engine sees these as assessment requests and automatically routes an alert (via the UW message buss) to the user to take the qualifying assessment. Also, if the UW member’s role is set as Field Worker, which means the potential to use work activity, his declaration will be also validated through the qualifying assessment that is conducted as part of the UW implementation process for a specific location.

Learning Management System (LMS) Engine The use of a Learning Management System in UW requires the integration of a LMS engine provider. At ABM, the LMS engine provider for The Learning Spot (TLS) is VenU; it is integrated with Unified Workforce to provide single-sign on access and the many learning activity features that come with UW. Configuration Process for Formal Learning The configuration process is based on two perspectives: the initial use of Formal Learning (in this case, TLS) by an organization and the end users. The initial requisite steps listed below should be taken when an organization is using TLS for the first time, while the end user configuration steps are taken each time TLS is implemented at a new or existing ABM location. 3.4.1 Initial Use by an Organization The configuration of TLS and all other UW components is managed in the UW Admin Portal, the process of which is dictated by its features or functions. The list of features below must be reviewed and adjusted as required when configuring TLS for the first time. If satisfactory to the organization’s needs, the default configurations can be kept where applicable. As the procurement system provides possible suppliers for material requests, they pass over to UW where they are combined with the suppliers’ community score (standing). The result produces a "good-fair-poor" ranking for the field user to choose. Good provides positive field user points, poor provides negative field user points.

Having a well prepared workforce with access to a robust curricula and transparent tracking of training give employees an opportunity for growth and visibility to compliance by management. At ABM, a Learning Management System (LMS) is used to deliver formalized training in various formats. Branded as “The Learning Spot” (TLS), users can sign on through Unified Workforce (UW) and have access to learning content in curricula that fits their service, industry and level of proficiency. The effective onboarding of users into TLS is the first step in ensuring they are properly introduced to and well prepared for their initial and long-term use of the LMS. The adoption of any solution that is new to its users is critical to realizing the value it provides. With Formal Learning through TLS, the delivery of training for its initial and long-term use helps in compelling user adoption. This Work Instruction (WI) describes the usage and adoption of Contextual Learning from two perspectives: (1) from the contributor or course creator and (2) the consumer of training content. 2.0 RESPONSIBILITIES 2.1 TASK RESPONSIBILITIES x x x x

Formal Learning is the delivery of formalized learning content through a learning management system (LMS) where students can take and complete training courses. At ABM, Formal Learning is delivered through a third party LMS known as The Learning Spot (TLS). TLS is a cloud-based, multi-language learning management solution that manages all aspects of formal learning across ABM. 3.2 ACCESS TO ABM FORMAL LEARNING OR TLS Through a registration process, an internal or external user can gain access to TLS via Unified Workforce or UW. Internal users include employees while external users may include Clients or Local Labor and Vendors. The single-sign on feature of UW allows a user to have access to several UW components including TLS, regardless of whether ABM credentials have been issued. The goal of user adoption within UW is to ensure the solution is effectively and consistently leveraged with its value realized and delivered in the course of its implementation and long-term use. 3.3.1

To this end, a series of email announcements are used to prepare new TLS users and also get them excited about the release of a new solution or new learning content. There are six announcements available as email templates with each serving a different purpose – see Section 5.0 to read WI-ABM-1506 Onboarding Formal Learning, a work instruction that details the communication process as part of the onboarding process. 3.5 USERS OF FORMAL LEARNING/TLS An organization’s ability to deliver formalized training through a learning management system has an impact in all areas of business. The recordkeeping and management of training records help maintain an organization’s compliance requirements in various facets of the business. Therefore, TLS can be leveraged by both internal (employees) and external (vendors, customers) users. Primarily, there are two types of users within TLS: x Content Contributor or Course Creators With the Corporate Education Manager’s assistance, course creators produce new or update existing training courses specific to their division, industry, service or area of expertise. Their access to TLS in the staging and production environments is specific to the requirements of course and course content production. Course creators also provide SCORM file content when applicable. See WI-ABM-1515 in Section 5.0 to learn more about SCORM files management. Any employee can be a course creator simply by submitting a request through the Corporate University Course Charter form. Content Consumer The primary consumer of course contents in TLS is the students or trainees who are mostly employees of ABM. However, external students may also include vendors who participate in any of ABM’s collaborative efforts or those who participate in the Service Network program, and customers who may want to take advantage of ABM’s formal learning content. Other types of content consumers also include managers whose purview includes the enforcement of required training; managers can be given proper TLS access to enroll students, manage assessment records, and generate reports to ensure regulatory or organizational compliance.

When to use TLS or Formal Learning vs. Dynamic Learning: In Contextual or Dynamic Learning, users can spontaneously contribute an image or video while onsite with a simple smart device and shortly after, share it with other UW members. CL content is informal and associated to a site or asset rather than organized into a training course (see Section 5.0 to read more about Dynamic Learning via WI-ABM-1509). So when is TLS required in the development of learning content? The list below shows when TLS should be used and what type of content can be included: x x x x x
