Hello dear applicants and congratulations for your courage to apply in the Organizing Committee of RYLF 2019.

I am glad that your are reading this message. Ever since I have applied for my first OC position, I realized that this kind of job suits me best, and now, I am eager to offer other people a good AIESEC experience by being part of an OC and helping them grow even more. If you’re having second thoughts about this decision, it is perfectly normal. Why I took the decision was because, to me, it was something really special and very different from what I was used to do on a daily basis, as an AIESEC member. I am not going to lie to you; there will be bumps on the road but you will realize by the end that it was worth it. Being in an OC for 3 conferences in a row made me realize that I am privileged to have a job that has two major outcomes: my own development and gratitude for everything that the OC positions have to offer me, and also the happiness of being there with the delegates, sharing their mixed feelings and stories, through the whole journey. The main goal a conference has, is to ensure a context in which every member of AIESEC ROMANIA can contribute to the directions that our entity will take. When you look the plenary from the OC perspective, you will realize what is AIESEC all about and you will feel the AIESEC soul through delegates, and that, in my opinion, is all you can ask for. RESPONSIBILITIES

An Endorsement Letter from someone who lead you in PDF format

Delivering 90% realization of the Conference Objectives - Planning, tracking and evaluation processes involved in the project; - Overview of their area and processes involved - Support the OCP with information regarding the processes or the environment changes

The application questionnaire in PDF format (to contain all questions from the Personal and General block, and all of the questions from the specific position you are applying for).

Required presence in the MC House (Bucharest) the weekend before the conference (for the premeeting and preparation of the conference) and 1 day after the conference for the post-meeting Required presence at OC Meetings and other synergy meetings and calls Accommodation for the pre-meetings is covered Meals for the whole staying in the venue are covered Transportation from the MC House to the venue and back is covered The OCVP position requires 15 hours of work per week In addition to the aforementioned positions, there will also be added OC helpers on specific areas


OCVP DELEGATES EXPERIENCE

SHORT DESCRIPTION Ensures the overall quality of the conference, from the delegates point of view.

OCVP RESPONSIBILITIES  Takes into account the suggestions and feedback of the delegates and finds the best way to implement it  Keeps track of the chiefs delegates before and during the conference

 Maintains communication with the LCs in regards to # of delegates, transportation plans, hour of arrival, etc. before and throughout the conference

 Ensures that the venue, plenary and session’s rooms are decorated as it is planned  Creates the facebook group of the conference, and posts regular updates

 Maps out and implements the plan of improving delegates experience


OCVP SALES & LOGISTICS

SHORT DESCRIPTION Ensures, along with the team , the financial and logistic support for the conference through cash & barter sales.

OCVP RESPONSIBILITIES  Ensures cash sales and the in-kinds needed throughout the conference (coffee breaks, breakfast, printings, parties, logistics)

OCVP MARKETING

SHORT DESCRIPTION Ensures, the promotion for the conference through social media media channels and creation of materials.

OCVP RESPONSIBILITIES  Creates and implements the promotional plan for the conference.  Creates online materials and content for the conference website.  Creates designs for conference merchandise.

B. GENERAL • Why have you applied for being OCVP RYLF 2019? What are the expectations regarding this position? • What are your strongest skills and assets that you can bring to AIESEC in Romania through this position? What are the skills you would like to develop?


SPECIFIC QUESTIONS C. SPECIFIC | DELEGATES EXPERIENCE • How do you envision the perfect RYLF for a delegate and what would be your contribution as OCVP DXP to make it happen (be specific)? • A day before the gala, you are informed that the theme has changed, and you need to craft new decorations, and also you need to be at the party this night, because you made some really cool challenges and games. What will be your plan for this situation? Please be specific as possible. • During pre-conference, the facilitators request that the plenary, during the opening, should have all the windows covered, so no outside light can pass. With a room that had glass walls, only one day left and no budget, how are you going to manage it?


SPECIFIC QUESTIONS C. SPECIFIC | SALES & LOGISTICS • What is an envisioned plan of logistics that you think would be needed for RYLF, for around 300 delegates? Create a list of logistics based on decorations, welcome packages, stationery, breakfasts, coffee breaks. • How do you envision the added value that the sales area can bring in order to boost the experience of a delegate at RYLF (types of inkinds sold)? Base your answer for the previous question. • Please create a sales plan for RYLF| take each area of products that can be received (e.g. stationery, food, drinks) and mention the amount of receivables that you plan to sell and at least 3 potential partners for each. • Please attach an e-mail template (or templates), through which you would sell the conference.
