he phrase of the moment is ‘Build back better’, an expression of hope that the world will emerge from the pandemic a better and more able place than it was before. Perhaps, in aircraft M&E/MRO, we will need to be more prosaic but also more focused than that. The pandemic has posed a number of new challenges such as whole fleets having to be parked but maintained ready for the return to service. Also, with the need to maintain social distancing and avoid too many fingers on keyboards, airlines and MROs have turned to the mobile and paperless solutions that they had previously regarded as ‘nice to have one day’. All of this has heightened awareness of the possibilities for processes that are supported by IT solutions and, consequently, a number of established and new possibilities are now being explored or, increasingly, deployed. This modernization drum is one that the IT suppliers to aviation have long been banging but now they have an audience of users who want to listen. As with any crisis, the pandemic has accelerated developments as well as their adoption. And, of course, we must not forget that it has been technology that enabled selection, planning, implementation and follow-up work to continue remotely through the past eighteen months. As always, AircraftIT MRO, through our close vendor links, is able to tap into what readers need in order to navigate this new and, we hope, better post-COVID world of MRO IT solutions.
Following up on part 1’s selection and implementation process, part 2 of the case study from Cargolux rounds off the airline’s new Shop Control Application, with a walk through the solution in practice. The Case study from Rolls-Royce offers a superb example of how IT solutions, properly applied, can help a business to build back better, in this case, in pursuit of 100% reliability through Product Lifecycle Management. On a very practical level, even the best processes and practices in MRO will only be as good as the availability of the right materials when they are needed. Our next case study is built around an App that has enabled Smartwings to take control of its supply chain. As well as case studies, there is also a good amount of original thinking in the white paper from Rob Mather of IFS who shares some technologies that are already available for those who want to harness the power of digital technology. Allan Bachan, from ICF, suggests, in his column, ‘How I see IT’, ideas to tackle the supply chain forecasting problem brought about by fewer and less predictable data during the pandemic. Seabury Solutions’ M&E and MRO software to power LAS Cargo’s aircraft maintenance operations In late September 2021, Seabury Solutions, a subsidiary of New York-based Seabury Capital Group LLC and a market leader in delivering aircraft M&E and MRO software solutions for the aviation industry, announced the addition of a new customer for its Alkym® Platform, a Colombia-based cargo carrier, Líneas Aéreas Suramericanas S.A.S. (LAS Cargo). “Digital innovation continues to be top-of-mind for executives across the airline industry. Titan Airways goes paperless with eTechLog8

Conduce and Titan Airways were delighted to share that on 16th September 2021 Titan Airways received their ‘Letter of No Objection’ from the UK CAA to use Conduce’s electronic logbook (ELB) solution, eTechLog8. On the same day, eTechLog8, which was already on-board the UK based fleet and being used in parallel, became the legal record for Titan Airways’ first paperless UK eTechLog8 flight. With eTechLog8 deployed across the whole fleet, Titan Airways now benefits from the availability of real time accurate aircraft information 24/7 and has eradicated paper technical logbooks from the cockpit. The eTechLog8 project commenced in January 2020 but the brakes were applied in March 2020 due to the global pandemic. Undeterred by the industry wide

chaos, the project team kept up desktop trials until the project recommenced in December 2020. This parallel desktop trial enabled the configuration to be fully tried and tested and paved the way for Titan Airways to fully replace the paperbased aircraft technical logbooks, including deferred defect logbooks and cabin logbooks, with a smart electronic solution. The UK CAA approval came in quick succession after another exciting project milestone last month. In August 2021, Titan Airways received their AOC Application Approval from Transport Malta and began flying with eTechLog8 on board from day one of Maltese operations. As eTechLog8 is approved with many airlines in Malta, the approval was the swiftest eTechLog8 approval by a national airworthiness authority to date, a

testament to the hard work and commitment of all involved. The Conduce project team, led by Vera Bankina, Senior Project Manager, provided Titan Airways with full system configuration advice, bespoke training material and users guides for the eTechLog8 suite of products. Conduce also provided full support to meet the requirements of the UK CAA and Transport Malta to allow for the adoption of an ELB. Vera commented “With admirable perseverance and despite the struggles of 2020, the Titan team managed to approve eTechLog8 as their primary technical log system and hit a couple more milestones along the way — the addition of a new aircraft model to the fleet and a new AOC — both with eTechLog8 onboard from day one. That was a fantastic job by the professional team — Conduce are very proud of this project and looking forward to the next phase.” At Titan Airways, the project was run directly by the engineering team, led by Sara Bellis, and worked
closely with all areas of the Airline, from Flight and Ground Operations to Finance. The unique challenges caused by COVID-19 meant that training staff at all levels was a huge challenge which, combined with the nature of the operation and fleet types, required a determined approach to bring the
system to fruition. Rusada unveils Inventory Management App for ENVISION Right at the end of September 2021, Rusada, the global aviation software provider, announced the release of the latest mobile application for its Airworthiness, MRO, and Flight Operations solution ENVISION. ENVISION Stock allows warehouse and stores personnel to perform multiple common inventory tasks on-the-go. Users can receive, relocate, and issue stock as well as conduct inventory counts, and ship assets, all from a tablet or phone. This removes the need for paper printouts and handwritten notes as all necessary information is available within the app. It is also capable of scanning barcodes on parts or orders using the device’s camera, thereby speeding up data entry and eliminating user errors. This is the second mobile application released by Rusada this year after their maintenance execution app, ENVISION Tasks, launched in May. Electronic Tech Log from TrustFlight receives rare endorsement from EASA In early October 2021, Aviation software specialist, TrustFlight, received a letter of endorsement from the European Aviation Safety Agency (EASA) for its powerful Electronic Tech Log digital workflow application, part of the company’s advanced operational management solution, Centrik. The Electronic Tech Log has been designed to provide flight crew and engineering teams with remote, up-to-date access on the operational status, flight and maintenance history of their aircraft. A new development for MRX Systems To maintain its proximity with its clients while continuing to build ever more innovative software, MRX Systems announced in mid-October 2021 that it is increasing its team. Swiss-AS opens new office in Japan In late October 2021 it was announced that the ‘Land of the Rising Sun’ has welcomed its first AMOS office in cooperation with Lufthansa Systems. The expansion to East Asia has been approved by the management board of Swiss AviationSoftware and has resulted in the establishment of a new business location in Tokyo as of October 1st, 2021. The Tokyo office is an extension of the existing Singapore branch and its staff will report to and closely cooperate with the AMOS Asia-Pacific Business Unit.

The establishment of the new East Asia office in Japan is the result of several factors that make this country the perfect candidate for such an expansion. Since the opening of the Swiss-AS Singapore office in 2013, the APAC customer base has grown by over 400%. Even though Singapore is a key Asian hub, East Asian countries, such as China, Japan,

Selecting AMOS coincided with Greater Bay Airline signing with/for flydocs, one of the leading asset management solution providers in the aviation industry. With flydocs the airline is able to automate and digitize its aircraft records from day one, while at the same time benefitting from the seamless integration between AMOS and flydocs. Greater Bay Airlines relies on third party maintenance providers (including AMOS customer, HAECO) for both Line and Base Maintenance. Additionally, the airline selected Lufthansa Technik for the provisioning of CAMO services. Such partnerships support the very lean organization model of the young airline and allow it to focus on its core business. “We, at Greater Bay Airlines Engineering, searched the market for a provider that does not only deliver a system to us, but could support our rapid implementation requirements and the growth of the airline. To focus on its primary domain of expertise and keep internal IT effort and cost to a minimum, the airline has entrusted Swiss-AS as a cloud and operational services provider by subscribing to the AMOS Cloud Hosting package. To pick up on to the latest industry trends in terms of cloud hosted software distribution, Swiss-AS has designed a cloud infrastructure that ensures smooth
operation whilst adhering to the latest IT and security standards. The Swiss-AS hosting suite comes along with the AMOS Operation Services (AOS) that cover all duties arising from the AMOS application server and PostgreSQL database administration and include the continuous monitoring of all operational system parameters in order to optimize the performance of AMOS. The customer’s only responsibility is the fulfilment of application administration tasks. This service package provides the young airline with a fully dedicated cloud environment and ideal operational conditions to benefit from the full potential of AMOS at attractive costs.
Ambitious AMOS implementation plans accomplished
Since mid-March 2021, the AMOS APAC office located in Singapore was providing the Hong-Kong based airline with all the necessary resources and support to initially implement airworthiness relevant and material management processes. The project team accomplished go-live of AMOS in September, shortly before the airline was to start its operation. To fit in with the time constraints of the project, the implementation was split into two parallel workstreams, one being the drafting of all relevant business processes, the other being the AMOS training and knowledge transfer to the Greater Bay Airlines team. As the head of AMOS Asia-Pacific, Pierluigi Calù, said: “GBA’s team did an outstanding job by implementing AMOS while at the same time seeking to receive the Air Operator’s Certificate (AOC), and we couldn’t be more proud of supporting them in achieving this huge milestone. Notwithstanding the smallness of the team, GBA managed — in a record time of three months — to get the approval from their local authority regarding all relevant airworthiness processes, leveraging the AMOS standard business processes. Despite working remotely, achieving this result was possible thanks to the extensive commitment and close collaboration where both GBA and Swiss-AS worked as one team.”

Transavia Airlines to mobilize their maintenance Towards the end of October 2021, TRAX was pleased to announce that Transavia Airlines is adding the Line Control and QuickTurn eMobility apps to its maintenance environment. BLUE DATA THREAD DIGITALIZATION PROGRAM
Rolls-Royce has often been a pioneering original equipment manufacturer (OEM) and not just with the quality and innovative flair that it brings to its engineering. More than twenty years ago, the company was a pioneer in servitizing the aircraft engine business through ‘power by the hour’ and its TotalCare initiative. For that to succeed, and it has, it is necessary to have the capability to follow and manage the engine throughout its operating life, a process known as product lifecycle management (PLM). So, it is no surprise that Rolls-Royce is today pioneering another key step forward in the area of lifelong engine maintenance, linking engine field data with ‘return on experience’ insights to optimize fleet management, supply chain, and maintenance, repair and overhaul (MRO) service delivery. But, no matter how good the service and the technology that underpins it might be, nothing can stand still. That’s why Rolls-Royce is bringing TotalCare bang up-to-date with a digitalcentric generation called IntelligentEngine. The IntelligentEngine is a form of cyber-physical services where the physical engine, the services that surround that digital engine and Rolls-Royce’s digital capability are indivisible. The IntelligentEngine is connected by data. It is contextually aware of its own operating conditions, the environment through which it’s flying and what is happening with the rest of the fleet. Furthermore, the engine comprehends all of this information in a way that can support making smart decisions to maximize engine availability while minimizing maintenance costs and disruption. To bring this revolutionary idea to reality, Rolls-Royce created ‘Blue Data Thread’, a program connecting every Rolls-Royce powered aircraft, every airline operation using Rolls-Royce engines, every maintenance shop and every factory. It is a comprehensive solution that answers the need for maintenance data exchange with thousands of aircraft powered by Trent engines. That thread is humming with data, and information flows in both directions making the whole operating chain smarter. The Blue Data Thread program is about an exchange — a two-way movement of data. AN INTELLIGENT APPROACH TO MAINTENANCE AND RELIABILITY

This way, airlines who share their data will get value in return from the access that the system gives them to the whole universe of engine data which will, in turn, enable their own predictive maintenance capability with the resultant improvements in engine reliability and service quality. Performance and engineering information is exchanged with Rolls-Royce and used within their digital twins. But the airline is in control of that data, because they own it, they decide how they share it and with whom they share it. Rolls-Royce uses that data to model at the engine, the fleet and the network level. Engine health and component lifecycle drivers are identified, and the company forecasts maintenance requirements many years in advance, to ensure that their repair network and factories have the right capability and capacity to meet the needs of customers. But above all it’s about creating a step change in delivering TotalCare to airline operators. This means more availability, less disruption and fewer maintenance interventions. All of this is free within TotalCare.
Just as the content of the system relies on airlines sharing their information, so Rolls-Royce has worked with a number of partners to create the Blue Data Thread that makes IntelligentEngine possible. For nearly thirty years, there have been programs to try and predict engine component wear and engine health on the ‘prevention is better than cure’ principle. The availability both of huge quantities of data and the software to process those data into useful information are more recent developments that have made predictive maintenance an achievable objective through solutions such as IntelligentEngine which is able to work with any MRO/M&E system. Air travel is a very time-sensitive process in which any unplanned and/or unforeseen delay can generate a chain of costly delays, expenses, plan changes and emergency engineering jobs. Anything that can offer the prospect of less unplanned delays will be welcomed by airlines and passengers alike and will also make for better scheduling and allocation of engineering resources. In that context, Rolls-Royce is using IntelligentEngine to drive the target of as near to 100% availability as possible for Rolls-Royce powered aircraft.
Leveraging the full scope of digital capability
The digital thread and digital lifecycle help Rolls-Royce to understand how all those components and systems are operating in service. The company is on the brink of being able to bring that manufacturing data together with the engine

health data to leverage their combined effectiveness. There have always been huge amounts of data generated by aircraft engines. As we move towards digitization of processes, even more data is being generated, and the means are being developed for using that data to improve aircraft availability. What is the right data? That’s where data analytics comes in. Rolls-Royce is creating a ‘digital twin’ of each of their engines. This operates on many levels. It goes right down to every jig and tool that is made and is a whole, through-life digital twin. It will give a much richer data set of what is built, put on test, and then passed on to the customer. Digital twins are one part of Rolls-Royce’s ‘Intelligent Engine’ vision, which sees the physical engine seamlessly combined with maintenance services and digital technology. This starts from the manufacture of the engine, all the way through to the end of its life.

All of these great ideas and innovative processes rely on a near seamless exchange of data which, in turn, means a way for the various components in the system to communicate with each other and to do so automatically. For a business such as Rolls-Royce, whose reputation and future business rests firmly on the market’s perception of their quality and the quality of their products, one critical issue is that everyone involved with the business and its processes should also be recognized as meeting the highest quality standards in their field. This is of particular importance when handling the sensitive data exchanged in an aero-engine maintenance program. QOCO certainly meets that standard. On June 30th, QOCO Systems passed the ISO 9001 and ISO 27001 certification audit. ISO 9001 ensures that organizations can deliver consistent quality of products and services to the customers and, moreover, increase customer satisfaction. VENDOR JOB CARD: ASQS (ADVANCED SAFETY AND QUALITY SOLUTIONS)
Günther Schindl offers us an insight into the quest for quality and data integrity that marks ASQS as a highquality partner for customer airlines and operators Günther Schindl, Chief Executive Officer of ASQS, is responsible for the corporate strategy, sales and customer relations of the ASQS Group and develops the business strategy together with Günther Syrowatka (CTO) and Eva Lederhilger (COO). He holds a degree in aviation management and has held various quality management positions in the airline, business aviation and aircraft maintenance industries before founding ASQS. Aircraft IT: Your name, your job, and the name of the business? Günther Schindl: Günther Schindl, CEO and cofounder of ASQS (Advanced Safety and Quality Solutions). Aircraft IT: How did ASQS get started? GS: Back in 2008, when there were first discussions that SMS will become mandatory in Europe, I was working as Compliance / Quality Manager for an aircraft operator and a small MRO. It was back then when we identified the need for a web-based platform for the aviation industry to effectively implement Safety- and Quality Management Systems, developed by aviation professionals with hands on experience. The initial focus of our product IQSMS was to provide a solution for aircraft operators. Over the past several years, we have extended the scope to make IQSMS a powerful application for MROs. It will continue to grow now
that SMS is soon to become mandatory under EASA Part 145 and 21 other regulations. Aircraft IT: What is the guiding business principle that drives the business? GS: For us, our customers always come first. Therefore, we’ve invested a lot in our support services. IQSMS is not just a software application but a full service including excellent customer support. We know that every organization is unique, even if we all follow the same rules. We want to understand the specifics of each customer and adjust IQSMS according to these individual needs. This process does not stop after system implementation, but is a continuous cooperation with our customers.
Aircraft IT: What has ASQS’s greatest business achievement been to date, and why? GS: In general, how ASQS evolved. We started as small as an IT company can be: a few thousand Euros on our account, with no external financing, my colleague Günther Syrowatka did all the programming and I, besides my previous full-time job, did everything else from sales, to support, to accounting, etc. Today, 12 years later, ASQS is a team of more than 50 professionals operating out of our three global offices located in Bangkok, Calgary and Vienna. We serve more than 250 aviation customers including many MROs, both independent providers or being an integrated part of an operator.

GS: Luckily, we haven’t had any big disappointments. A real setback was that, due to the pandemic, we were not able to open an ASQS office in Mexico City last year. All preparations were already finished and the rental agreement was already on my desk ready for signature. Due to economic reasons, we did a full re-evaluation of our plans and discovered that Calgary was a fantastic alternative to support our North American customers. We have gotten a lot of support from the City of Calgary to open our office
there and found a very welcoming environment. What we’ve learned from this particular setback? Unexpected things can happen all the time too but it is good that we have an excellent team that is very adaptable and reliable. Aircraft IT: In a sentence, how would you summarize what the business does for aircraft maintenance customers? GS: The IQSMS Suite we provide is an intuitive, integrated, and modular quality, safety, and risk management software solution for the aviation industry which supports our global customers in reducing operating costs while increasing operational safety and ensuring legal compliance. Aircraft IT: What will be the next big thing in maintenance Aviation IT? GS: With regards to the safety and compliance aspect, for me it will be the automatic transfer of safety related information into the SMS application.
There is so much data stored in maintenance planning applications which are relevant for safety departments. We cannot expect engineers to enter such data twice, once in the planning software and again in the SMS software — automation is key. We have just finished setting up such an integration with a vendor and will launch the integration during our upcoming user conference. T
he aviation industry has faced massive economic challenges — from travel restrictions and quarantine rules to complete lock downs, airlines and MROs are still playing catch-up from the near total shut-down of international travel in March of 2020. Today, the sector is fully aware that it is entering a prolonged recovery phase in response to the last 18 months, and that means balancing operational flexibility and agility alongside safe fleet reintroductions. Stopgap measures such as parked aircraft and conversion to cargo services have helped in the short-term while, on the labor front, investment in remote working has helped mitigate overheads. However, to secure their long-term future during what is a sustained period of economic pressure, airlines and their counterpart MRO service partners are turning to new technologies and digital transformation. Importantly, there are three areas where technologies can be easily integrated to quickly deliver competitive advantage despite razor thin margins. In the wake of that March 2020 shutdown, airlines immediately sought to maximize their organizational efficiencies by doing more with less. This ranged from keeping the business operational with skeleton crews of staff, to extending the life or increasing the availability of existing assets to the maximum possible extent.
PLANES GROUNDED IN PARKING LOTS
Work restrictions and social distancing requirements also forced businesses to work differently than they have in the past. Interestingly, in some cases these changes have demonstrated to previously change-averse organizations that rapid change is actually possible, and many leading organizations have seen the advantages that altering the way they work can bring. Key examples being the FAA using remote collaboration on the evaluation of the 737-MAX, or the arrival of ‘preighters’ as primarily passenger airlines convert their aircraft to carry additional freight thereby unlocking new revenue streams. Stats also show airlines taking a varied approach to managing fleet sizes. According to

Cirium, 15 percent fewer large commercial jetliners were scrapped in 2020 than in 2019, as “airlines struggling to afford new aircraft may also need to keep older models for longer.” On the flip side, other airlines have taken an alternative approach and accelerated retirement of already aging and costly to maintain aircraft. Regardless, most airlines have had to make do with reduced workforces and significantly reduced fleets. Even as recently as May 2021, according to Cirium, the worldwide in-service passenger jet fleet of all types stood at over 18,700 with almost 7,700 in storage, representing just under 29% of the global inventory. Managing so many parked and stored aircraft brings its own challenges, but the most strategic aviation organizations are actually seeing an opportunity.
DIGITAL INITIATIVES ARE PICKING UP THE SLACK
For many airlines that run to the tightest of margins, IT projects can be perceived as risks to continued operations. There’s no ability to free up the resources needed to execute projects and the potential disruptions to business have often meant much needed IT investments have been put off. But now, those previously tight systems contain some unexpected slack. With lower load factors, fewer aircraft in service and, depending on levels of government support, potentially staff under less than typical pressure, there has been a somewhat surprising trend towards investment in digital transformation initiatives—even from the usually ultra-lean independent MRO sector. Organizations are seizing the opportunity before them. In fact, recent statistics from SITA show 31 percent expect an increase in IT spend in 2021, despite pandemic disruption. But this increased spending doesn’t necessarily require large scale digital overhauls. IFS has found some airline and MRO organizations are looking for technology tools which tackle key recovery plans, such as unlocking the predictive maintenance efficiencies, allowing remote collaboration and addressing safety issues.
THE LONG-HAUL BACK TO TRAVEL OR IS THE RACE ON?
As vaccination rates increase globally and infection rates in many countries are declining, we are looking at a gradual re-emergence of commercial air travel. Many predictions have shown narrow-body fleets returning to 2019 levels in 2023 with wide-bodies following in 2024. However, faster than projected vaccine roll-out in some regions and rebounds to domestic air travel happening more quickly in markets such as the U.S., means that there is a clear possibility of significantly beating those predictions. For the most forward-thinking airlines, it’s now a race to see who is going to emerge on top and, as such, many airlines are seeking new competitive advantages for them to leverage as they look to be first out of the gate.

At IFS we see airlines and MROs investing in certain operational focus areas to gain competitive advantage against an industry backdrop of recovery and economic pressures. Let’s discuss three that help maximize through-life support at multiple stages of the aircraft lifecycle.
AI, ML and IoT combine to drive predictive maintenance efficiency
One of the maturing industry technology applications is the use of Internet of Things (IoT) and Machine Learning (ML) for predictive maintenance. Maintenance software applications now allow for the aggregation of real-time sensor data, business and operations data, logs, and more into a data lake infrastructure — with the ability to transform all this information into proactive maintenance tasks. These data insights, along with machine learning models, can then be used to produce advanced statistics and KPIs to provide a holistic view of the asset or component in question, combining historical and forecasted values. Thanks to these digital developments, the often risk-averse aviation industry can pivot to using predictive maintenance models not only to increase performance and reduce costs, but also to better manage risk and enhance safety. For example, as of 2020, Rolls-Royce is using AI (Artificial Intelligence) forecasting, which is supported by IFS, to help airline customers automatically update predicted maintenance deadlines for every life-limited component inside their engines — a key part of the Rolls-Royce Blue Data Thread strategy, a digital information thread connecting every Rolls-Royce powered aircraft, every airline operation, every maintenance shop and every factory.
Remote Assistance lends a digital helping hand
As travel begins to resume, passengers will be greeted by more mobile, touchless and social distanced technology to help navigate them through the airports. Similarly, airlines have deployed technology to protect their employees and deliver new operational efficiencies.

The proliferation of smart devices, and maintenance software applications now available on mobile has fast forwarded merged reality — where the real and virtual world are mixed and objects from both can interact. With remote working and social distancing becoming commonplace, remote assistance technology is ready and available and has been taken up by growing numbers of airlines and MROs who are quick to see the benefits and adopt the solution. Remote assistance enables team members to work together over long distances, sharing information in a common view and diagnosing and fixing issues together. Remote assistance tools are also able to create an auditable archive of recordings that can later be searched through and reviewed, another valuable point for inspection, quality assurance, training, and compliance activities. We see remote assistance becoming more and more of an option — as early as March 2020 the Federal Aviation Administration (FAA) announced a policy to allow video links and other remote technology to help conduct inspections and validate regulatory compliance during this period of uncertainty.
Intelligent decision support will transform defect management
Defect management is another key area ripe for innovation. Master Minimum Equipment Lists (MELs) are often housed in paper or individual PDF documents and must be looked up manually. Information must be combed through to check if every individual fault can be deferred. Collaborative defect management offers fast, effective, and supported decision making for technicians, which leads to improved efficiency and visibility, as well as real-time deferral compliance management. It is up to the M&E systems to enable intelligent decision support for defect management, by providing a single accessible framework for technicians to take faults raised and utilize a flexible and collaborative workflow to evaluate whether the fault may be deferred. But the deferral doesn’t end when it is approved. To ensure compliance going forward, intelligent tools should also automatically generate and schedule follow-on tasks and recurring inspections until the defect is ultimately fixed. The result of proactive and improved defect management is fewer grounded aircraft and reduced flight delays — and less delays means more profits for airlines. Consider recent research which states the average delay costs big carriers $920 USD per flight, with airlines experiencing 34.9 delays on average per month. When multiplied across a year of operations the potential loses are huge but reducing these delays will directly boost an airline’s bottom line.
CHARTING A SAFE AND EFFICIENT ROUTE TO RECOVERY The flightpath to a safe and efficient aviation industry recovery will require agility, flexibility and visibility for airlines and their MRO partners. Now is the time for organizations to prioritize their IT investment to unlock competitive

Sjoerd Stilma offers us an insight into the daily business at EXSYN and how the team supports airlines and MRO’s addressing some of the harder aircraft data challenges Sjoerd Stilma is one of EXSYN’s Aircraft Data Consultants. Ever since joining EXSYN he has been supporting airlines globally in their aircraft data challenges: airlines such as Etihad Airways, Malasyia Airlines and the ASL Aviation Group. Sjoerd is also a key contributor to the continued development of functionality in EXSYN’s Aircraft Data Operations Platform. Prior to joining EXSYN, Sjoerd worked as reliability engineer intern and holds a BSc in aerospace engineering. Aircraft IT: Your name, your job, and the name of the business? Sjoerd Stilma: Sjoerd Stilma, Aircraft Data Consultant at EXSYN Aviation Solutions. Aircraft IT: How did EXSYN get started? SJ: EXSYN started out in 2011 as a consultancy company focused on supporting airlines to implement MRO systems. Over the course of several projects, use cases were encountered that triggered the development of what now is EXSYN’s aircraft data operations platform. This started with the release of our Aviation Data Migration, in 2014 this was followed by our Data Analytics and Predictive tool, Avilytics, and more recently we started upgrading our infrastructure to include
further self-service data capabilities for airlines and MROs. This resulted in EXSYN’s unique positioning as being a niche leader in offering digital solutions for aircraft maintenance and engineering data. I personally joined EXSYN in February 2015 as a graduate researcher, analyzing industry trends in aircraft maintenance. A year later I became an Aircraft Data Consultant. At the time it was still a relatively small company but through the years it has matured, and the team has continued to expand. Aircraft IT: What is the guiding business principle that drives the business? SJ: EXSYN was founded on the three principal ideas that:

there have always been setbacks that have been overcome eventually, however I did not experience a personal disappointment. SJ: It enables them to streamline and optimize data related processes, eliminating inefficient work processes and errors and creating time for people to focus on other daily business. Aircraft IT: What will be the next big thing in maintenance Aviation IT? SJ: Not sure if it is the next big thing, however the global pandamic has shown airlines and MRO that digitalization is a key element going forward.

acing the challenges of operating an efficient supply chain during the COVID pandemic, Smartwings turned to digital technology to develop and deploy its own supply chain management app, MATMen. This is the story of that app and its associated modules but first, a few words about the subject airline.
SMARTWINGS
Smartwings with subsidiaries in Hungary, Poland, Slovakia and Germany, operates scheduled flights, charter flights and private flights. In 2019, the group carried 9.6 million passengers from 14 bases across seven countries. Based at Václav Havel Airport in Prague with a fleet of 38 aircraft (mainly Boeing 737 variants: -700, -800, -900 and MAX), Smartwings is the largest airline in the Czech Republic and one of the fastest growing carriers in Central Europe. It operates flights to holiday destinations plus dry leases to other airlines as well as scheduled local flights and business charters with a fleet of Cessna 680 business jets.
AVIATION SUPPLY CHAIN MANAGEMENT APP, MATMen
Smartwings Group app for supply chain management is MATMen — a solution that was developed by BARTON Aviation Software, in a real airline environment, and that fully understands and addresses the needs of a modern airline supply chain and spare parts management. MATMen was created in 2016 as small project focusing mainly on the inventory management for outstations plus their need to have to have an easy-to-use app and to have up to date internal systems. Today, in 2021, MATMen covers all key functions across the supply chain from parts quotation to installation on the aircraft. It also saves money with correct and cost saving decisions. This article will set out to introduce some of the key modules that, during the pandemic, have helped Smartwings gain a clear visibility of the inventory 24/7, reduce costs and be accessible from any place (office or home) in the world.
INCOMING SHIPMENTS
The incoming shipments module was developed to improve efficiency in our main store, which was previously not so efficient, and to reduce human errors in the process of receiving incoming packages that are delivered to our stores. Using the module today, we can pre-alert our stores team to any shipment that is on the way; they can then plan the necessary staff numbers and see, in one place, all the incoming shipments and what volume to expect. Using the module, we are able to track the real-time status of the package: for example — whether it has been collected, is in customs or has been fully delivered to our stores. This module also automatically creates a driver task when a shipment needs to be collected by our driver. All departments can check the shipment status at any

time without any extra communications and emails needing to be send to the stores. Each person can set-up a real time notification so the process of the collection for incoming shipments is visible to everyone.
STORES DRIVER APP
The stores driver app was created to provide real-time information about the collection of incoming and outgoing shipments. The module enables us to have a real-time notification when the shipment is physically received by our staff or delivered to the forwarder, or handling company. This module covers the functions listed below, so that our drivers have all the required information in one place and available to them on their tablet or mobile device: • Driver Tasks Overview; • Tasks Overview per locations; • Incoming Shipments Overview; • Map Overview; • Vehicle Journey Logbook. The module is fully connected with incoming or outgoing shipments so that real-time status from the driver is immediately visible across the platform.

QUOTATIONS MANAGEMENT
The quotation management module was created to simplify the quotation process for spare parts and to streamline the flow. At the moment we have a perfect overview of quotations received from suppliers so that our staff can be properly informed to decide on the selection of the supplier. This module can automatically send the requests for quotations directly to the relevant suppliers with all required details; so, the staff are no longer sending unique emails to each supplier, and they can focus more on their work. Lukas Kapek, AOG Desk Officer says of the MATMen app quotation management module: “For a daily user, such as me, quotation management is a very important part in the process of locating spare parts in the market. Instead of contacting the vendors manually via email, it provides the possibility to assign all the necessary information into the system in few steps, and to create one quotation header. After selecting the specific vendor an automatic email will be sent with all the details and instructions such as part number, priority, aircraft registration and location where the part is needed. This whole process takes no more than a minute and it really simplifies my job. Once the offer from a vendor is received and assigned again into the system via one simple step, it appears in a well-organized list of all offers from which I can easily choose the most suitable one. It really is a time saving and I honestly can’t imagine working without this module.”

SUPPLIERS TRANSPORT CONCEPT
We have created a unique solution within which Smartwings can set-up a transport details / concept for each supplier to help our teams correctly decide which forwarder will be a perfect fit for the required priority and when will be the expected arrival date for the delivery (figure 1).

EXCHANGE MANAGEMENT
This module was developed to provide a clear overview of exchange orders. For each core return there is an automatic email core return notification generated and sent to the supplier, containing information about the returned unit and shipping details. The module then monitors the exchange return period and

This module was created to monitor Smartwings’ external repair process and enable us to have a quick overview of outstanding open repair orders that are not quoted or not delivered and returned by the supplier. The module also sends automatic reminders to the suppliers and provides a repair costs history for each part number. The Global Supply Chain crisis Allan Bachan, VP, Managing Director, MRO Operations, ICF
O
ver the Summer, I read a New York Times article captioned “How the world ran out of everything”. This is but one of the many news stories which have been making front pages recently about the global supply chain crisis.
HOW IS YOUR MRO IT FARING REGARDING THIS ISSUE? HOW RESILIENT HAS IT BEEN?
The Supply Chain support in any MRO IT system typically covers approximately 40% of functionality including Demand Planning, Procurement, Logistics, Warehouse and Stock Control modules. Apart from small airlines (less than 50 aircraft) and specialty MROs, most organizations couple their MRO systems with the corporate ERPs such that Finance, Contracts, Purchasing and HR are overlapped and integrated. Additionally, to build better resilience, MRP (Materials Requirements Planning) systems are used externally or with some integration to MRO systems. The use of a specialized MRP essentially allows for usage of multiple math models and algorithms to produce calibration numbers and parameters as inputs for the MRO system. The baseline information is usually fed with data from the same MRO system(s). Traditional and legacy MRO systems used in aviation are very transactional. The data from these historical transactions are commonly used in stochastic models (e.g., Poisson) to forecast the future. Also, aircraft utilization drives maintenance activities which, in turn, drive materials usage. Over the past 20 months, aircraft utilization and maintenance activities on aircraft and engines have been significantly lower than pre-pandemic levels. As such, there is little (MRO system) transactional activity
on which to base meaningful forecasts. More so, because of sub-normal activity, such transactions will have abnormal attributes like order quantities, lead times, pricing, order cycle times etc. Most MRO systems will typically be configured to look at either 24 or 36 months of transactional data for inputs into built-in models.
HOW, THEREFORE, ARE YOU ADJUSTING FOR THIS PHENOMENON IN YOUR ORGANIZATION?
Seen from a ‘deterministic materials forecast’ standpoint, aircraft schedules are different — for example, more domestic flying over the past eight months means shorter sector times, higher frequency of checks and varying aircraft types when compared to the past. This also affects the probabilistic forecasts based on non-routine findings and unscheduled aircraft maintenance events. Simulation centric software is the only real solution here. Think about it. The supplier landscape has changed as have fleet demands and logistics parameters. Plotting these new conditions for inventory part numbers and modelling scenarios for utilization and technical operations would be an ideal way of driving the transactional activities. Usage of such simulation software packages must weigh the fine balance of ML (machine learning) philosophy and AI (artificial intelligence) philosophy. Transactional activities may be successfully mined for ML type analytics. However, the last 24 months of activity and the changed operations dynamics of the past eight months must be judiciously applied. This is where AI must step in to do the bulk of the simulation work. I
n the first part of this article Stephane explained to AircraftIT how the Shop Control Application came about, what factors were germane to it and how it was implemented in Cargolux. In Part 2, he goes through the Shop Control Application for readers to learn how it works in the MRO environment. We are now controlling the induction of parts into the shop, which means that we don’t just send everything to the shop because the shop would become congested with that. We have a backlog area where parts come in and wait for the right time to be released to the shop. It’s almost identical to software for hospital emergency room management, where you come in as a patient and you’re going to be reviewed by a nurse who will classify you as a serious case or normal case. According to this you’re going to be moved to the doctor’s office or waiting room. The process we had before would have sent every patient straight to the doctor’s office. Obviously, that wouldn’t work. The doctor needs to focus on their job and see the right patient at the right time and that prioritizing is also important for an MRO workshop. At this first stage, the Application has a backlog area where parts wait to get assigned to a repair order. What we have done with Trax here is very efficient because the parts are not classified by the time they came in or by the time they are waiting, they are just classified by their priority and that priority is determined here. It’s a calculation that we put together with TRAX, based on the utilization of that part, the number of parts that we have currently in stock, the number of parts we have currently in repair, and when these parts are going to make it or not, or whether they’re going to have to be on hold for a reason. Based on that, the system is constantly calculating, from highest to lowest priority, what is the next part that should be put into the shop. The page is quite intuitive. You see your part and where you currently stand with your stock. The parts in red are currently standing at zero stock, so we know we have an immediate problem with those parts. If the parts are in stock, we are able to immediately see where they are and what are the quantities. This is a very easy way to get information and then you are able to see what is happening for the parts which are currently in repair: e.g., are they on hold? do I have some open requirements for that part? did somebody order that part? and when is that part needed? “With the growth of our fleet and the increase in the numbers of components that we are repairing, it was very clear that we need to have a system which shows us an overall priority and progress tracking status on the parts that we are repairing. That is what the Shop Control app does for us.” so it’s a very useful tool for the shop control planner. It’s what Cargolux is putting in place right now: we will have a shop control center with shop control planners in there and the shop control planner will use that list and say, ‘look; my shop can take one more part and that’s the right part to send them right now’. We included a manual aspect to it as well, in case the planner needs to make a manual interaction when he finds that a part which is not presented to him as high priority is now actually high priority (this happens a lot). If somebody comes from planning and says, “hey, watch out, I need that part for a certain check”, the shop
control planner is able to move that part to the fast lane and put a note on it. That’s going to be an immediate reminder for the planner that this is actually the next part that needs to be sent to the shop. When the part is sent to the shop, then we move to the other tab of the application which is the work list. There we are looking at the due lists or let’s say the work list of the shop or what should be being worked on by the shop at the moment. What is very interesting is that, with TRAX, we designed what we call the ‘buffer consumption’, which is a percentage incrementing with the time that the part is spending in the shop and it tells us the percentage of time. It shows the amount of time this part has spent in the shop compared to the TAT (Turn Around Time) that we want to have, so it’s based on the TAT and based on the due date. When the part is just released into the shop and let’s say you have 15 days turnaround time, plus you are on the first day of that TAT, then your part is going to be displaying green. As the part is progressing along in the shop it’s going to move to yellow, then to red, and if it’s overdue it’s going to be staying red. That provides a uniform priority system. Everybody has the same priority across the whole organization. That part is at a certain percent of buffer consumption and that defines the priority. When that part is moved to another shop, it will go within the list of that shop and the shop will have to do that part according to the global priority level. This was a huge problem for us in the past because we did not have a means to indicate a global priority. Essentially it was down to all individual shops to negotiate priorities. You know

how this goes — you are from the wheel and Brake Shop and you go to the Paint shop and ask “can you do a couple of parts for me today?” But then the Sheet Metal shop lead is doing the same thing Then you have these discussions which are never ending and which take a lot of time. But this is no longer the case with the new system because now we assign a global priority to each of the parts and it’s the same for everybody and it’s controlled by our shop control center. I mentioned that we have a lot of AOG parts, so we have a specific category for that. When the part is AOG it displays full red and shows up in front for everybody to see. So that’s a clear sign that everybody needs to stop what they are doing and get on with that part because it is immediately required to get an airplane back in the air. This will be displayed prominently for everybody. The page is going to be displayed on screens in the shops pretty soon here at Cargolux. We’re going to have big screens with that page displayed so if you get an AOG part, even before the part is coming physically to your shop you know you have something that you need to work on, on a very urgent basis. I got a little ahead of myself here, so on that work list you would see your part, the specifics of the work order and all the specifics of that part. Then you can see what the priority of that part is, when that part was inducted, when that part is required, what’s the remaining duration, and what’s the buffer consumption. This buffer consumption is shown on the KPIs in the App. When we look at the overall buffer consumption in the shop, we can see the current health status of the shop. If our shop is green, that probably tells me that the shop could manage to do a few more parts now. If the shop is yellow, it is the average condition which should be the norm for the shop. If the shop is in the red everything is overdue. But if the shop is in the red, that tells me that the shop is not going to deliver all the parts on time and that’s a big indicator for management. Management is basically looking at the buffer consumption and can manage the shop from day to day accordingly. If the buffer consumption is increasing, then that tells me that something is not being delivered as quickly as expected in that shop and that is a very simple indicator which is basically free from any other data. We don’t need to put man hours into that, we don’t need to put fancy data into that, it’s just a due date, a consumption due date and we are able to see how that shop is doing. The App is integrated to the airline in order to support the mission to make sure that we fly our planes as much as possible and as safely as possible. We need to have the parts returning to stock as soon as possible, as well, so these are KPIs we selected: the buffer consumption, the on-time delivery (e.g., is the shop able to deliver on time what was requested at the beginning), the turnaround time of the shop, the throughput of the shop, and is

All these KPIs are compiled using the last seven rolling days. With the growth of our fleet and the increase in the numbers of components that we are repairing, it was very clear that we need to have a system which shows us an overall priority and progress tracking status on the parts that we are repairing. That is what the Shop Control app does for us. The app is very interactive. As soon as you have a few days where you say, “I’m not aware” and one of my shops has its main machine broken down and no parts are being released, you know immediately that it will start showing on the KPIs. Obviously, we’re going to be aware of the breakdown. But even if the shop lead does not make us aware of the breakdown, we can immediately identify that the shop has a problem. Then we have an overview of what parts are in the backlog, what parts are work in progress and what parts are on hold, so that we can

review these parts and see if it’s getting out of control. We came from a system where we took the paperwork, and we brought it to the next shop and then maybe a week later we’d say, “Hey, where is that part? Is the part delayed at the other shop? Okay let me check with them”. It’s quite difficult to keep track of all these parts, so what we designed with TRAX is to simply click on the part, select that work order, and click ‘move to site’; then, select which shop you are sending that part to and that’s it. The part disappears from your own work list and it appears on the work list of the destination shop. It’s going to appear according to the priority list which we described, at the priority level which we described, so it’s very powerful. The big users of this functionality are the NDT (non-destructive inspection) and Paint shops who don’t do parts on their own, they don’t have their own capability list, so they don’t repair parts themselves, but they do a lot of work for the other shops. The paint shop paints parts for the other shops. The NDT shop inspects part for the

other shops. So, the priority list is invaluable for them because they just keep on getting parts from all sites and need easily viewable information on the next priority. When we move a part to another shop, when we click that ‘move to site’ button, we added a nice functionality that you go into the ‘travelers’ tab’. Obviously not all parts are just a straight fix. There are a lot of parts nowadays in the MRO world that are stuck because you need an engineering repair for them. It takes a little bit of time or you need spare parts, and that spare part cannot be found in the market, or you must wait a while to get that spare part, or you’re waiting on the customer. Let’s say you’re waiting on the customer. The customer has to give you an approval for the quote, so we did not want to keep these parts in the work list (at that stage when the shop is waiting for an external stakeholder) because the shop is not effectively doing anything to that part. When this is happening, we have another process in place where we select that part and put that work order on hold. An example is when we are waiting for parts or tools. There are a few reasons that you can enter to move parts away from your shop work list but still have them visible in the ‘on hold’ tab where you have the parts which are stuck for an external reason. That way you will have an overview of these parts as well. Going back to your list where you can see your part number, you can see your work order, you can see the description of your reason that part is stuck, and you see how much time has passed since it was blocked. That is useful for me as a manager because, if a part is blocked for one year I’m going to say “look, at some point we have to decide something.” Maybe that part is BER (beyond economic repair), or maybe that part needs to be replaced by a new part. So, we can see the incremental amount of time that part is on hold. If we are waiting on material, we immediately get that material information from

That is the name of the game, that’s what we are achieving here.” the page as well. If you were waiting for material, you would get real-time information as to what you need and when is it arriving. You can manage your status and enter a reminder note. These two very simple processes of moving parts to another site and putting a part on hold when you really cannot work on it anymore are very beneficial for the organization because they add so much clarity to the whole operation. The Shop Control App gives us a way to decide when the part needs to be sent to the shop for repair, when is it needed and when it has been released. We can track in real time what is happening to that part and that’s extremely critical. I don’t remember if I stated at the beginning that we handle and process 10,000 parts per year and that is increasing. This means that every day 40 parts are released. It means that, at the point we accept all the work orders and all the parts are going immediately to the shops, we have more than one thousand live work orders at a time. So, if you have more than a thousand work orders which are always open and which you need to manage, with this process we are able to triage the parts at the induction of the parts. The work list shows only what you can work on with the right priority. You are putting the parts which you cannot work on anymore on hold and you are managing these parts in a separate workflow. All of these app functions reduce the work in process in the shop and that’s the critical thing. The more you reduce the work in process, the more you make life simple for the shops and for the people who are working on the parts. That is the name of the game, that’s what we are achieving here. I hope that this has shown how the information is being used to help the organization at Cargolux to improve our performance. I would just like to say a big thank you to TRAX. They took on the challenge of designing something new when we came up with the idea and approached them with the specifications. This was something which was a new project inside Cargolux. It was not clear whether we would succeed and come out with something that works. That took a lot of work from both sides and I really am grateful for that because we have a great tool that we’re going to be able to use in the future. And we’re going to be able to further develop that tool.
