hat a strange year this has been. OK, that is an understatement but 2020 has been so different from previous years that any of us have ever experienced that it needs no hyperbole to distinguish it. In fact, it might just be that a cooler and more practical approach is what is called for. That has certainly been the case with MRO IT developers and vendors, and with industry trade bodies and regulators. They have been working on both helping aircraft owners to cope with the current pandemic and, more importantly, as we hope to approach the end of the immediate crisis, with the changes that will be necessary in the post-COVID world. The result has been a mixture of new solutions but, just as importantly, the realization that some solutions that were previously considered as ‘one-day’, ‘nice-to-have’ capabilities, are now ‘need-to-have’ solutions. In particular, ideas such as going paperless and having mobility that were already making steady inroads to the sector are now seen as key components in a post-COVID, low contact world. That includes the use of remote support for implementation and in-service support for MRO IT solutions. Working as part of an industry that is all about travel and transport, MRO IT has harnessed the latest technologies to ensure that service levels can be fully met without so much need

for personnel to travel in person to the delivery point. In this issue, we have a great case study from USA Jet about the implementation of an e-Signature initiative and the many benefits that has delivered in efficiency and cost management. A further and equally valuable case study is about how WestJet moved its manuals and content from a paper-based to a digital system with the benefits already delivered from that step into the future. There is also an excellent Solutions in Practice from KAEMS, an MRO start-up, about how they selected and implemented an MRO IT solution for the back-bone of their business right from the start. Allan Bachan offers some great insights on realizing the full potential from digital aircraft by making sure that they’re managed with the digital systems already available. Then Iryna Khomenko from IATA does a super job of explaining how regulators, OEMs and operators have combined to ensure the sound management and maintenance of currently parked fleets and the steps that will be needed to ensure their safe return to service. There are also informative Vendor Job Cards from EXSYN Aviation Solutions and TRAX, our regular round-up of news and technology developments and the comprehensive ‘MRO Software Directory’. Web Manuals grows customer base by 25% in 2020 More than 300 aviation businesses worldwide now use Web Manuals to digitize their manuals and regulatory documentation, an increase of 25% since the start of the year. The surge in document digitization in 2020, announced in late September, is being led by the US, with over 100 stateside companies now using Web Manuals. Krister Genmark, Director of Operations Americas at Web Manuals said: “A number of factors have contributed to the rising demand for document digitization. Firstly, the trend towards business aviation, specifically charter flights as a way of safely travelling has increased this sector of our customer base, now accounting for just over 10% of our all our customers. Secondly, drone use has substantially grown during the pandemic, with the necessary regulatory information meaning efficient document management was needed. Thirdly, the demand for air freight has increased the number of cargo operators requiring support.” Following the success of the company’s freemium package which was offered to all new customers to support aviation businesses during April to August, in September 2020 Web Manuals also launched a freemium service for aviation start-ups to boost innovation as the industry emerges from the COVID-19 crisis. Krister Genmark added: “Our industry needs to support each other in order to strengthen and grow post-COVID. We are encouraged that many of our freemium customers are now enjoying the long-term benefits of digitization and we are keen to aid new businesses starting out in aviation. With border restrictions and regional regulations constantly changing, we expect the role of digitization to remain important as aviation businesses strive to stay compliant at all times whilst rebuilding.”

Bees Airline takes off with AMOS Bees Airline is a new start-up airline in Ukraine and announced in late November 2020 that it has selected AMOS to support their business. One could almost say “selected AMOS again”, since the users all know AMOS very well. “Happy customers are key to us and their word-of-mouth marketing is invaluable. Welcoming AMOS users back into the community since they opted for AMOS again in a new business context makes us very proud,” stated Ronald Schaeuffele Scherer, CEO of Swiss-AS. The current difficult market environment seems to be made for start-ups – Bees Airline being one of them. The ‘start-up-tailored’ offer Swiss-AS proposed for this industry newcomer was the dealmaker. Operation of the start-up will commence in early 2021 and relying on a renowned and well-known system will help Bees Airline to achieve

their operational goals. The two aircraft in their fleet were already managed in AMOS. Therefore, an AMOS-to-AMOS data transfer is required, which proceeds smoothly due to the AMOS standard transfer programs being available. This combined with the extensive and up-to-date AMOS knowledge of the users leads to the expectation that Bees Airline will go live with the AMOS Airline Edition in the shortest possible time.

DRF Luftrettung goes for AMOS One integrated system for a highly diversified fleet

In early December 2020, Swiss-AS was pleased to announce the recent contract signature with DRF Luftrettung, one of Europe’s major air rescue companies based in Germany, regarding the license and implementation of AMOS. Over recent decades, DRF’s Part 145 scope of work, number of staff and facilities have constantly expanded. The company growth brought many challenges with it. To face and tackle these, the company performed an extensive processstreamlining project in which context the maintenance software was also reviewed. The legacy software was implemented in the 1980s and with the company wide review it became evident that a new maintenance software was inevitable. The AMOS MRO Edition convinced the DRF with its rich functionality. Considering DRF’s very varied

fleet, having one common and highly integrated system will surely help the customer to have at any time a clear and complete overview of their fleet maintenance requirements and activities. The project was kicked-off in October. Swiss-AS will staff the project mainly with German speaking employees for a smooth project communication.

Swiss-AS celebrating its success with helicopter operators

In recent years, Swiss-AS has added many new functions for helicopter operators, while the AMOS rotary wing customer base has also increased considerably and now counts eight companies. Currently, five AMOS implementations are running in parallel at helicopter operators. By selecting AMOS, DRF will not only be able to manage a mix of fixed and rotary wing aircraft in a fully integrated system, they will also be able to

utilize functions that are far more critical for rotary wing aircraft, such as the Counters in AMOS. Being especially able to create and customize an unlimited number of counters will allow DRF to accurately track multiple parameters on the aircraft and components and in turn manage their maintenance requirements. As their fleet can have regular mission configuration adaptations, AMOS functions such as Configuration Definition and Configuration Control ensure that all related effectivity driven events are updated accordingly.

AMOS — the best fit for helicopter operators

When the first customer of Swiss-AS, the Swiss Air-Rescue (Rega), signed for AMOS in 1992, the foundation was laid for ensuring that AMOS complied with the special requirements of the

NEWS & TECHNOLOGY

helicopter maintenance industry by providing dedicated functions in the system only relevant for helicopters, such as: • Vibration monitoring to identify early stages of helicopter component degradation; • Dynamic counter options to optimize maintenance control and performance; • Complete suite of engineering requirements to control the helicopter specific maintenance needs; • Management of extensive pooling contracts; • Mission logic (individual system capability set up aligned to the types of missions flown); • In-depth effectivity rule logic to track fleet uniformity or customer preference. DRF Luftrettung can fully rely on AMOS due to AMOS not being in any way limited to specific helicopter types, but covering the wide range of different helicopter OEM requirements. “We are convinced that AMOS is the perfect match for DRF Luftrettung. The fact that the very first AMOS

customer was also an air rescue company — who still relies on AMOS after almost 30 years — reflects the versatility of AMOS to cater for the unique needs of rotary wing as well as fixed wing aircraft,” stated Ronald Schaeuffele Scherer, CEO of Swiss-AS. About DRF Luftrettung: The DRF Group with its headquarters in Filderstadt is one of the largest air rescue organizations in Europe. In 2019, the group carried out a total of 40,738 missions. The crews at 14 of the 35 HEMS (Helicopter Emergency Medical Services) bases in Germany, Austria and Liechtenstein are on standby 24/7, and eight HEMS bases provide helicopters with rescue winches. In all the group operates about 60 helicopters and two Learjets. The Austrian ARA Flugrettung with two HEMS bases was integrated into the DRF Group in 2001, and the Northern HeliCopter GmbH (NHC), which provides air and water rescue services, was acquired in 2019. Furthermore, DRF Luftrettung is

also a member of the AP³ Luftrettung network with its HEMS bases in Balzers/Liechtenstein. In addition, DRF Luftrettung also brings back patients from abroad with its own ambulance aircraft. For the continuous expansion of its vitally important tasks, the non-profit air rescue organization depends on financial support. Today, DRF e.V. is already supported by well over 400,000 sponsors. About Swiss AviationSoftware and AMOS: AMOS is a comprehensive, fully-integrated MRO software solution being developed and distributed by Swiss AviationSoftware. Swiss-AS, a 100% subsidiary of Swiss International Air Lines has more than 190 customers worldwide and belongs to the industry-leading MRO software providers. Wizz Air uses Aircraft Fleet View from CrossConsense At the end of November 2020, Wizz Air signed a contract with CrossConsense to implement Aircraft Fleet View. Aircraft Fleet View is a Progressive Web App that gives the user an always up-to-date view on the airline’s fleet status. It indicates AOGs, delays and other important information. It provides the right level of detail to be useful but not crowded with information. At Wizz Air, Aircraft Fleet View will be used by pilots as well as by the management. It is meant for everyone who wants to get a general overview over the status of the fleet. Users who do not have the time or the knowledge to dive deeply into the MRO backend system will be presented with the most important information regarding a single aircraft, a range of aircraft or the whole fleet. Diogo Reu, Senior Manager Digital Maintenance and Partners Management at Wizz said: “We decided to implement Aircraft Fleet View to allow our teams, in particular Flight Crew to always have the latest status and condition of the Aircraft prior to any flight allowing a better preparation. The app also allows our Operations Control Center to be always aware of any new technical or operational constrain raised due to technical issues with the Aircraft with live information. Furthermore, the App provides a live status of our fleet which can be checked at any time by

the team for a full overview of the Aircraft condition.” Heiko Holm, Chief Operations Officer at Wizz added: “We are happy to extend our cooperation with CrossConsense keeping the focus of becoming one of the greenest Airlines in Europe aiming at a full paperless operation and we see the Fleet App as one more step in that direction. Since being established in 2002, CrossConsense has always thought from the perspective of the user. They are not pure IT geeks, and it is exactly that which characterizes their services and products. Thus, they distinguish themselves from most of the specialists for the implementation of solutions. they can’t do otherwise, because in the DNA of CrossConsense are many years of experience in Airlines, in the area of procurement, engineering and maintenance. The team know a customer’s job as if it were their own. And customers will feel that immediately. CrossConsense’s portfolio stretches from AMOS Support, BI-Management, Data Migration and Hosting to the products Aircraft Fleet View (app that that gives you an always up-to-date view on your airline’s fleet status), ACSIS (tool for predictive maintenance) and AviationDW (tool that supports airlines to get an overview over all KPIs the airline is interested in). productivity whilst ensuring the highest safety and quality standards are adhered to. In addition, the airline opted for AMOSmobile/EXEC. The fact that AMOS has an integral mobile solution was a significant reason why Eastern chose the system. With this fully integrated AMOS add-on, the maintenance staff will have direct access to live data and enable them to record all activities directly at the aircraft in real time – paperless.

Project running despite COVID-19 restrictions

The implementation project already started in July this year. Due to the highly demanding business sector that Eastern operates in, the project approach is designed to be lean and swift. Swiss-AS and Eastern are both working hard to manage through the current pandemic environment without having a significant negative impact on the project, while the focus is clearly on safety and efficiency. The detailed implementation project plan recognizes the reduced opportunity for travel with a focus on virtual training sessions and remote working by the whole implementation team. Steve Harfst, President and CEO of Eastern Airlines, said “In supporting our growth and our commitment to providing safe, on-time and reliable air transportation, Eastern is taking steps to ensure that we provide our team with the tools and services they need to serve our customers. The addition of AMOS and its mobile applications will help Eastern meet that goal.” Eric Couvreur, VP Maintenance and

Engineering of Eastern Airlines, added “Eastern is very excited about the implementation of AMOS. The system has greatly increased our ability to control the maintenance, material, quality and engineering functions. We are planning to use the system to its full capability when implementation is complete to include AMOSmobile. The cloud environment is the way forward and a goal for Eastern across all platforms. With AMOS, we have joined many of our peers in reaching this goal for aircraft maintenance operations. We are happy to have aligned ourselves with a powerful partner and look forward to our combined growth.” About Eastern Airlines: Eastern Airlines, LLC (Eastern) was originally founded in 1926. By 1930, Eastern grew to become one of the “Big Four” domestic airlines, where it would remain for the next several decades. As a carrier with a legacy of pioneering new routes, Eastern Airlines returned to the skies in 2020 for its next adventure as the first scheduled carrier to be certified in the United States since 2007. Eastern is a US-Part 121 flag air carrier operating wide-body, long-range aircraft with scheduled domestic and international flights as well as passenger and cargo authority. Eastern is headquartered in Wayne, Pennsylvania and operates a fleet of twelve Boeing B767 and B777 series passenger aircraft. The airline focuses on nonstop-only flights to underserved markets across the globe. Read the full story on Aircraft IT Website

NAVBLUE signs cooperation agreement with Electronic Logbook provider Ultramain In mid-November 2020, NAVBLUE and Ultramain Systems signed a cooperation agreement to integrate Ultramain Electronic Logbook (ELB) into NAVBLUE’s Electronic Flight Bag (EFB) applications. ULTRAMAIN ELB replaces aircraft paper flight logs with an easy-to-use, touchscreen interface that speeds communication between cockpit crews and ground maintenance teams. estJet is a Canadian airline operating a large domestic and international network with a fleet of Boeing 737, 767 and 787 types as well as Bombardier Q400 aircraft. This is the story of how the airline realized it needed to update its documentation management and then went about the process of implementing that update.

COMPLEX OPERATIONS & CUMBERSOME PROCESSES DECREASE PRODUCTIVITY

WestJet has a complex operation. The Tech Ops team supports three airlines under the WestJet organization with policies and procedures specific to different fleet types. This makes the documentation revision process, and the documents themselves, complex and hard to navigate. As a result, there were two problems to solve: • One: find a way to streamline the publication, approval, and distribution processes; • Two: find a way to provide the Aircraft Maintenance Engineers (AMEs) with easier access to their documentation as well as navigation tools allowing them to locate specific information. The publication and distribution process was slowed down by procedures that had been created to support a paper-based environment. For example, revision requests were received on a paper form and before a change could be authored,

“Once the changes were incorporated, the content had to be reviewed and approved — again by multiple stakeholders. These physical processes made record keeping very complex and audits even more difficult” a physical signature was required from multiple individuals. Once the changes were incorporated, the content had to be reviewed and approved — again by multiple stakeholders. These physical processes made record keeping very complex and audits even more difficult. Once an update had been published, it was very challenging to identify and report who had complied with the update and who had not. So, to complete the distribution process, the read-and-sign method (which is the maintenance of compliance) needed to be more efficient. Upon publication, accessing information was just as challenging due to the physical distance between the aircraft and a desktop workstation. Aircraft Maintenance Engineers (AMEs) had to leave the aircraft (their point of work) and INTERACTIVE Click here for full product details

CASE STUDY: WESTJET

“The first step was to set up electronic forms and workflows. These automated workflows send email notifications to each person identified along the process when it’s their turn to review or approve a content update. This allowed for digital tracing of requests, approvals, and feedback from content stakeholders.” SIMPLIFICATION AND AUTOMATION STREAMLINE CONTENT USE AND CREATION

walk to the desktop every time they needed to reference information. In addition, it was a struggle to navigate these documents to find the required information due to the basic filter and search features from within a PDF. AMEs needed to be able to access relevant information without spending any extra time remembering where something was or scrolling endlessly to search. These challenges were affecting the operation in extended turn times and it was obvious that a different approach needed to be taken.

The first step was to set up electronic forms and workflows. These automated workflows send email notifications to each person identified along the process when it’s their turn to review or approve a content update. This allowed for digital tracing of requests, approvals, and feedback from content stakeholders. The implementation of this solution alone has drastically sped up the publication process and removed paper from the equation. Once workflows were in place, the next step was to organize the content for a better user experience. Document libraries were customized, based on collections so users could only see the documents that applied to them. AMEs were provided with an iPad with the Comply365 app installed. The app has been really easy to use and AMEs have the resources they need at their point of work, which means, walking to and from desktop workstations is no longer required. In addition, the Comply365 app has provided the ability to target individual user groups with compliance notifications. Now the AMEs can receive their communications faster, and tracking compliance is no longer a challenge as it is automated. Through the utilization of ProAuthor, Comply365’s end-to-end document management solution, all documentation is being transitioned to an HTML output. This will allow all published material to be even more compatible with mobile devices. Once content has been transitioned, users will be able to filter it based on the specific fleet, model variance, or even equipment such as ‘type of engine’. They’ll also be able to search for key terms across the entire library rather than just the text itself in a single document. To continue to optimize the tool, communication catalogs are being developed with HTML filter and search

capability to house documents such as bulletins. These features are going to help the Tech Ops team to further personalize their own user experience and provide them with better support while they’re on the job.

PERSONALIZED & TARGETED DISTRIBUTION INCREASES EFFICIENCY, SAFETY & COMPLIANCE ACROSS THE OPERATION

As a result of these changes and the implementation, across the board, efficiency has increased. Content approvals are faster and easier; the rate of compliance has improved and, due to targeted distribution, everyone is able to navigate content faster without struggle. Overall, the downtime for aircraft has decreased and that is a huge value gained for the operation. Provisionally, because there’s less paper and checking to do, there is more time to focus on revisions and continue process refinement while preparing content for the full roll-out.

QUESTIONS AND ANSWERS

To further illustrate this case study and tie it to the real-life priorities of users, we have included a few actual questions that were asked of James and Lyndsay, during a recent webinar about the implementation, with their responses. Q: What feedback have you had from the engineers? A: That’s a good question. The feedback that we’ve had from the engineers since we’ve launched the Comply365© document distribution solution, over a year ago now, has been positive. When we started, we hosted a brief demonstration, and now, they support themselves quite easily on- or off-line; any time of the day or night. Once they understood the Comply365 features that allow them to navigate quicker and find the content that they are looking for, intrinsically it took over. They find things a lot faster and are now asking for more of the content that we haven’t yet transitioned. Q: What was the implementation like? A: The implementation at WestJet has been really successful. We did have to reverse engineer and heavily analyze our processes prior to adopting Comply365, but the guidance that the Comply365 organization provided was awesome and that was really important to us. Overall, we’ve found it very easy to transition our content into the Comply365 product, plus we’ve been able to distribute it very quickly and effectively to our front-line users (and we continue to receive positive feedback). Q: Are you planning to expand ProAuthor to Flight Ops and, if so, why? A: Actually, at WestJet our flight ops team introduced the EFB product from Comply365 more than three-years ago. Once we saw the opportunity to change

how we distributed content to front-line users (in our case, engineers) we wanted the opportunity to begin managing things differently. Since then, we’ve led the charge and introduced the ProAuthor product from Comply365. Now that Tech Ops has begun to utilize ProAuthor to author in XML and create the HTML output, we have become the team driving the change. The intention is to expand to Flight Ops and our cabin crew teams as they’re interested in following this same path and using the platform as we’ve structured it out.

JAMES HOMENIUK

James is the manager of Technical Standards and Audit Compliance. He has been in the airline industry for more than twenty years starting as an aircraft maintenance engineer, moving on to a maintenance supervisor and now currently as a lead. All of those years working on aircraft maintenance and repairs prepared James for his current role as a manager of technical standards and compliance. Understanding the challenges of the job has given James a unique perspective on how to best equip aircraft maintenance engineers through documentation and ensure they and the operation maintain compliance.

LYNDSAY STEFFLER

In all the years Lyndsay has been in the airline industry, she has written and worked with technical publications as well as many technical writers before taking on her current role as technical standards and audit analyst. She is also all too familiar with the challenges that technical publications departments face and how to make the most of the work they do for the airline.

WESTJET

In 1996, WestJet started with three aircraft and five destinations. Today, there are different aircraft types (Boeing 737, 767 and 787 models plus Bombardier Q400) in a 150 plus strong fleet flying more than 22 million guests a year to more than 100 destinations in North America, Central America, The Caribbean and Europe.

Making the change to paperless at USA Jet Pete Sasson, Project Manager, USA Jet / Active Aero, shares the challenges and advantages of implementing e-Signatures AIRCRAFT IT MRO • WINTER 2020 • 36

CASE STUDY: US JET AIRLINES

I

n this article I want to give you an insight into the experiences faced when implementing e-Signatures at USA Jet Airlines; ranging from the challenges we faced to the current status of the project, future plans resulting from the project and some notes about implementation projects that will, hopefully, help readers contemplating a similar program of change. A brief introduction to me: my background was in the United States Marine Corps before starting as a mechanic and moving on to become Director of Quality in a regional airline. From that I moved into IT which, in turn, led to me undertaking AMOS implementations including, quite recently at the time of writing, an implementation at USA Jet to move to e-Signatures and near-full paperless operations.

THE CHALLENGES

USA Jet was largely still using a paper-based system when I first became involved but was already a year into an AMOS implementation; however, things were not going as fast as they might have wished. One challenge they faced was that there was a lot of paperwork being sent to and from their stations but it was often getting lost with mechanics either not getting it off the aircraft or it might not have even made it onto the aircraft in the first place. The result of that was that maintenance jobs were being held up, they weren’t even managing to get sign-offs due on time; there was a lot of need to re-create paperwork or contact

“…there was a lot of paperwork being sent to and from their stations but it was often getting lost with mechanics either not getting it off the aircraft or it might not have even made it onto the aircraft in the first place.” mechanics. There was often an extended time between the sign-offs and the system update because people had to read the material, and then others were reviewing the paperwork: it ultimately led to lost time and productivity due to having to fix those paperwork issues. Change management was also a significant challenge because there were many departmental silos owing to the absence of clear or defined processes. It wasn’t clear who was supposed to do what, and that created infighting between departments and within departments. There was also a lot of user resistance to change. Much of the reason for that was that many staff members were in the older age range plus there was another significant group of younger staff but INTERACTIVE Click here for full product details

AMOS. AGAIN.

“ We are pleased to announce our partnership with Swiss-AS and the integration of AMOS Software. The Swiss-AS Team are great business partners and the launch has been seamless. We look forward to the maintenance efficiency and overall improved quality of inhouse planning processes that will come with this advanced implementation,“ President of USA Jet

USA Jet live with AMOS, the world-class M&E software solution. AMOS’s complete functional depth and scope was one of the prominent reasons USA Jet chose to partner with AMOS. By exploiting the potential of a fully integrated and functionally rich system, USA Jet expects to increase its efficiency and the quality of its in-house planning processes and at the same time, will decrease maintenance costs.

no-one in the middle age group. Operationally, there was not good fleet visibility as to where the aircraft were in their maintenance schedule and data management was virtually non-existent plus the inventory included a lot of inaccuracies because the paper system just could not manage it well.

CURRENT STATUS

Furthermore, each change was documented along with the results emanating from that change. Often with these projects in AMOS, there is a large volume of changes in settings and things that can be done: it’s very important that these changes are documented in as much detail as possible and that the results are regularly reviewed to ensure that there are not more issues being generated by the change.

AMOS Version 12 was launched at USA Jet on May 28 2019 And, on the next day, May 29, the airline was granted the OpSpec A025 from the FAA which allowed electronic signatures in the digital records keeping. That granting was based on demos given to the FAA on AMOS with all the business processes that had been developed beforehand. So, we’re currently utilizing the AMOS e-Signature functionality which gave us the opportunity to establish a hybrid system because, at that point, we weren’t ready technically to go full paperless. So all the sign-offs are completed within AMOS and then it goes through a records review, and once that’s finished the final document is printed out and maintained in a file system. The expectation is that USA Jet will go paperless in due course. Nowadays, inventory issues are a lot less than before with not many issues being experienced and, for those that are, they are of less severity. That is now maintained without the need for a paper-based system. And data issues have virtually disappeared.

FUTURE PLANS

HOW DID WE GET THERE?

HOW AMOS WORKS FOR USA JET

One thing that worked at USA Jet was that we created a separate AMOS Manual, allowing us to revise the AMOS manual without having to revise the GMM (General Maintenance Manual). That, in turn, gave us a separate place to list all of the business processes and systems. We also formed a dedicated AMOS team with sole responsibility for the quality of the AMOS implementation. Prior to that we had been trying to put the burden of responsibility on the departments and the department heads to produce the work that was required but that just wasn’t working for an organization of that size. We focused on the core processes: sometimes the project team had been getting into the weeds with trying to implement more than they could handle so the decision was taken to focus on just the core processes that were needed for the implementation. We broke out the things that were wanted later into phase two and phase three of the project. We also made sure to involve all the departments to increase communication, and we started holding workshops and sessions, where everybody came together, to break down some of those silos and get everyone working as a team. Another significant component was that everyone was held accountable: if someone was assigned work and they were responsible for completing it then they were held accountable for doing that… everything was done collectively.

AMOS was upgraded to the latest release on March 23 2020: now we’re planning a mobile device solution for inventory management using mobile devices that will aid in the barcode scanning of the bins and the material products in the store which will shorten the amount of time when people have to go to a computer workstation to use a keyboard and mouse to check inventory in and out. A further plan is to have full digital record keeping in less than two years and the implementation of AMOS Mobile in the same period. Looking further out, we’re considering an electronic TechLog having identified that would be beneficial and then another thing is we’re looking at our Heavy Maintenance Vendors and starting a conversation with them about establishing AMOS Data Exchange instead of exchanging heavy files of papers — usually done by email with PDFs that then get printed out. Finally, we’re considering Customer Reliability Reporting using the AMOS Report Designer software.

In figure 1 we have what we in USA Jet have called our Paperless Pie.

The figure shows regulatory issues such as the Advisory Circular that covers electronic signature. There are some ISO references that also talk about security of data. Guidance Material I want to share valuable and easy to access information on the topic. I know that there are many industry working groups, and documents out there, but these are my personal main reference points. IATA is driving the “Paperless Aircraft Operations” initiative, you may have read the related article in Aircraft IT Magazine last summer. Their webpage contains many airline/MRO/Regulatory presentations and reference documents. For instance, a working group has put together an “electronic signature” regulatory check-list for you to download. These files and presentations are all public.

Guidance Material

Figure 5.1

There is a lot of information out there but IATA seems to have made the most advances in this field: they have a lot of guidance material including one looking at paperless; so they’re well worth checking for those readers who are embarking on this paperless course. There is a ‘Guidance Material for the implementation of Paperless Aircraft Technical Operations’ maintained by IATA and other guidance (figs 5.2 to 5.5).

Guidance Material Main industry challenges acc.to IATA: Ø The acceptance by regulators worldwide. Authorities have to endorse and approve various activities based on new technologies Ø The life span of the aircraft and its parts can be more than thirty years and regulations require records to be kept and to be available throughout that time. Ø The involvement of many stakeholders with significant commercial interests that rely on "paperwork“ to track parts, aircraft records and asset transfers. Ø The complexity of systems necessary to track and trace parts, combined with absence and/or ignorance of standards. Ø OEM’s are already delivering newer generation aircraft as paperless. The bigger issue lies with in-service aircraft.

SOME USEFUL TAKE-OUTS

As a result of our experience, we’ve come away with a few useful tips for implementation (figure 7).

Useful Tips for Implementation Process Workshops

Required to measure the impact change to your organization.

Predict scenarios and define the use-cases.

Track user task and responsibilities that are assigned during these workshops.

Acceptance Testing

Real-life working environment simulation.

Uses a limited group of end-users to perform daily activities.

Users will be required to document the results of each test to ensure all gaps have been identified.

Set the manual revision process in motion.

Training

Best develop simple training materials for the user base.

Provide specialized training for a small group of users.

Document the attendees at each training session.

Train on the process that were developed at the workshops.

Internal Audit

Necessary to ensure all hazards have been addressed by the associated business processes. • Verify the effectiveness of the implementation project. • Company Quality System should track the project during and post implementation. • Develop specialized audits specifically designed to review the critical project items

Figure 7

Process Workshops are needed to measure the impact of change on your organization, and that is where you’re going to identify all the gaps during the implementation. You’ll also do well to predict the scenarios and define the use-cases for it as well as track the user tasks and the responsibilities that are assigned during these workshops — remember we mentioned above that we held people accountable for the tasks they had taken on. Finally, you’ll need to set the manual revision process in motion. For Acceptance testing, it’s really important that users document what they are testing and the results of those tests so that the quality team can review them.

“Process Workshops are needed to measure the impact of change on your organization, and that is where you’re going to identify all the gaps during the implementation.”

During training it’s best to keep the training materials simple and focus on the core processes. And, again for accountability, it’s a good idea to document all attendees who are training at the training sessions in order to keep everyone honest. One very important piece would be the Internal Audit which is necessary to ensure that all the hazards have been addressed by the associated business processes. That will verify the effectiveness of the project. It’s a good idea for the quality team to develop specialized audits for this project so that they can close any gaps with the principal regulator, in this case, the FAA.

WHITE PAPER: ICF

Managing digital assets with digital systems Allan Bachan, VP, Managing Director, MRO Operations, ICF shares thoughts on the optimal usage of MRO IT Systems and asks, ‘how do we get there?’

I

n this article, I want to focus on IT systems, and the way that they have been implemented over the last ten years or so, before focusing on where we intend and expect to be ten years from now. Just to tell you a little bit about ICF: we’ve been in the industry since 1963 and we have a relationship with Aircraft Commerce, Aircraft Analytics and Aircraft IT. ICF includes four practices: Airline Advisory, Airports, Aircraft, and Aerospace & MRO. This article will fit into that Aerospace & MRO category. Also, ICF is widely spread around the world (figure 1) in terms of businesses, projects and who we do business with. Our work is global, with a wide variety of engagements across our practices

SYSTEMS

If we look back over the last ten years, our research, covering about 850 airlines, has shown the spread of MRO IT systems in use today (figure 2) from an AOC (Air Operating Certificate) perspective. It might look a bit different from a fleet perspective, especially in the Legacy band where a lot of legacy systems are still being used, including by some larger carriers. But the current systems shown in the figure have had at least one system release over the last three years, which means that all of the systems referred to are still being supported. They’re modern platforms and most readers will be familiar with them. SYSTEMS

Figure 2

The first topic that we’re going to cover in the article will be systems (where we are from an MRO IT systems standpoint globally); we’ll then look at some considerations for where we are headed, what exactly is MRO IT and how do we capitalize on it; given those considerations, and before we conclude, we’ll focus a little more on potential solutions and enablers that will make those solutions become reality.

The digital thread is elusive

However, based on a survey that was conducted last year by Cap Gemini, 87.4 percent of people who responded, from the same population, said that their current solutions are average or below average, which means that the system is not fulfilling all their needs (figure 3).

People have certainly invested in IT systems over the past ten years but why are they not satisfied? Also, 17.4 percent said that their current system doesn’t even meet their basic needs but 64.1 percent expect to have gone paperless by 2022. On the right side of the figure, we can see that a majority (78.1 percent) considered there would be value from gaps in the digital thread being closed, i.e. if they could be seamlessly and purely digital in managing their aviation assets, and 76.9 percent say that the OEMs should be active in that transformation to digital processes. So, solutions are not doing quite what we want them to do and are not where we need them to be: but, of course, we see that the complete digital trail has been a key need from which we still fall short.

CONSIDERATIONS

CONSIDERATIONS

By 2029, new generation and data-enhanced aircraft will account for 56% of the fleet, compared to 12% today; Data-enhanced will grow at 22% CAGR

# of Aircraft

..Yet, the digital thread is elusive

So, why is there this disconnect? Let’s look at some of the considerations including, again, how do we optimize these systems moving forward especially bearing in mind where we are today, of course, and where we’re headed as far as the current fleet is concerned? During the next decade (figure 4), there will be 10,700 aircraft retirements but

Figure 4

Today, readers will be aware that everybody complains about aircraft producing so much data and us not knowing what to do with it. Predictive Analytics is one of the buzz-words for how we might address and utilize the volumes of data that will be coming off these aircraft. What this means though is that, notwithstanding the impact of Coronavirus, because these figures were compiled before Coronavirus, the order books for Original Equipment Manufacturers (OEMs) are full for the next five to eight years at current production rates. However, taking a reference from the US Air Force, the acquisition cost of an asset is only 20-30 percent of the total life-cycle cost for that asset, including maintenance; so, when buying an aircraft, you’ll initially be paying 30 percent of

what the whole thing is worth; throughout its life cycle, you’re going to spend three or four times that in maintenance. That’s why OEMs are very motivated to be a part of the aftermarket. And remember (see above) people in the survey were saying that OEMs need to be more part of the solution in this. The other thing here is that, not only are these airplanes already more sophisticated than legacy types but they’re going to get even more sophisticated. So, how are we going to manage these increasingly complex assets?

systems whose DNA can be traced back to the nineteen-eighties or earlier. So, we have to be cautious as to how we do that. To the right of the figure, we also talk about taking a digitalized asset and just inducting it at the top level. Can we do that? This, figure 5, does not present a solution but suggests to think about it differently. If you’re introducing a digitalized asset, then manage it as a digitalized asset.

The first consideration: inducting a new aircraft into the fleet

A second observation is that when you look at an MRO application environment, even in your own business, this is what it looks like (figure 6).

What happens today, when we induct one of these data enhanced aircraft into an airline, is that we take a digitalized asset and force it through our traditional transactional systems (figure 5).

The second consideration: many systems to consider

Figure 5

The objectives are configuration control, maintenance programs and reliability management; that’s the key. To make that more real for the people who are doing these tasks, they take, for example, a readiness log that comes with the aircraft, construct position records in the MRO IT system and then start to build the aircraft configuration into that system. Next they move on to the MPD (maintenance planning document) to create an operator’s maintenance program. That’s how we usually induct aircraft into our systems before moving on to the rest of the modules like supply chain, reliability tracking, planning… It means we are taking a highly digitalized asset and putting it into transactional

What you end up with is often a complex matrix of apps, solutions and functions communicating with each other: however, that’s what is taking the focus away from what should be, looking from the outside in, looking at these solutions.

The third consideration: integration within a complex matrix of capabilities

Because of the innovation and the rate of innovation, there are many things that are likely to become very popular; drones, mobile, Internet of Things (IoT), 3D Printing, wearables, Industry 4.0 the next industrial revolution (figure 8).

So, that’s the next thing, there’s no one-stop-shop; there are several ways of structuring a MRO IT application, system or solution but there are certainly many different applications available. Because of that, it is necessary to focus on integrations (figure 7); with many different applications there is no choice, you have to have a sound integration framework because these multiple applications have to be coupled, they have to communicate with each other and, of course, feed off each other.

“…the important thing is not the technology, per se, but how you fit that into what you’re trying to achieve in your business.”

We often focus on ‘here is the next big thing’ which can take away the attention from what you’re trying to achieve which is on the right side of the figure. If you focus on people productivity, for example, or cost optimization, you’ll possibly find that you have the solution components already rather than assuming, ‘Okay, lets adopt the latest big thing’. That’s not to say don’t take on the latest big thing; however, the important thing is not the technology, per se, but how you fit that into what you’re trying to achieve in your business.

The fifth consideration: looking at the manufacturing space

ID-ation, which is, let’s say, the next aircraft due on the market, is an idea that will be born, of course, out of the OEM community, perhaps with the involvement of some airlines, and which will become an engineering feat, then manufacturing and then in service (figure 9).

So what can we do? From this…

1

Current airline approaches are inside out rather than outside in

2

The MRO IT solution involves several applications

3

Bolt-on niche systems and integrations are in focus

4

Digital platforms and features are prioritized over business objectives

5

Functional maturity throughout the digital thread is challenged

To this…

• Inherit the digital thread. Don’t reinvent it from inside the airline

6

• Maximize usage of eenablement and connected capabilities of each new aircraft • Make business mandates the priority – achieve the as-built benefits

Figure 9

So that’s the thread that you’re trying to get through all of these functions and functional maturity in the engineering and manufacturing space you’d see as a vast difference from the operations space. The story I’d like to use here is, the Boeing 777 aircraft which was first conceived in 1990, with the first one rolling off the production line in 1995 for United Airlines. That airplane was totally digitally manufactured, with no paper involved. So, does the digital twin, the digital thread exist? Yes, it does. Why then, more than twenty years later, are there still huge volumes of paper involved in the maintenance of that aircraft? It’s something that we need to reflect on as to how we are actually managing these aircraft assets that are emerging. And then, when we consider, why should this disparity exist, because engineering, planning, production and supply chain are what MRO systems do. OEMs are doing the same thing that MROs are doing but in the manufacturing space. So why not work in a similar fashion. Perhaps those who say that OEMs need to be part of future thinking in this area are on to something. In the figure, configuration and maintenance programs have been highlighted to suggest how that transition should occur in reality and what is important to both sides of the equation.

Figure 10

We talk about five things in terms of considerations in the market place, the left of the figure, but the right side is, I believe, the future. We need to inherit that digital thread; it can’t be recreated, which is what we are trying to do with MRO systems. And that’s this entire application framework: if it already exists, let’s try to inherit it not reinvent it; and don’t invent it from inside out, look at it from outside in and maximize the usage of the assets you are managing. Today, we introduce a highly sophisticated and digitalized asset into the organization and push it through traditional systems. You have to think, ‘what am I getting?’ and

“…if it already exists, let’s try to inherit it not reinvent it; and don’t invent it from inside out, look at it from outside in and maximize the usage of the assets you are managing.”

‘how do I manage this?’ These are considerations as to how can we move forward with regards to optimizing MRO IT Systems in the future. As we already said, above, make your business mandates the priority rather than saturating yourself with ‘how do I adopt this new technology?’ Traditional systems may not be enough. Acknowledge and manage the new digitalized asset.

ENABLERS

Launched Jun 2019; collaboration Nov 2019 Forge

What are the enablers? Looking at digital twins in a manufacturing space (figure 11), GE has been using them for some while as have Rolls-Royce, Siemens, PTC… they all use digital twins and robust threads for the assets that they manufacture and support.

Digital twins with robust threads are available for new aircraft and engines GE advances analytical maintenance with digital twins Aviation week October 2015 Rolls-Royce IntelligentEngine vision makes rapid progress Rolls Royce October 2018

Figure 12

A set of off-the-shelf physical libraries can easily extend with a customer’s own industrial property SIEMENS November 2019

Figure 11

This something that we need to take from and, as Siemens says, there is already a set of physical libraries for each product and that can be extended using the client’s own properties. These twins are robust; for example, when a customer takes delivery of a brand-new aircraft, Boeing has seven thousand parts in the assembly process which, at the touch of a button, can generate an Aircraft Readiness Log (ARL). So why are we using paper documents to try to re-create that in our systems? Just use the RFID capability that’s already on the component. And then there is the matter of health monitoring which comes as standard with engines, aircraft and everything; in figure 12 you can see the eco-system that is emerging here.

On the left, the OEMs have a very mature eco-system but to the right we can see that the MROs are also starting to develop capabilities. Honeywell, with their Forge product, and Lufthansa Technik have co-operated in developing the Aviatar platform. Honeywell Forge is the aftermarket solution for managing components for reliability and function as the manufacturer intended with, of course, the maintenance cycle which is Lufthansa through their predictive analytics modules and software. They are co-operating although, again, in the operator space we are not quite as co-operative but that will soon come to us. However, the key here is that health monitoring tells operators what is wrong with the aircraft, what are the aircraft’s needs and what needs to happen, which is how aircraft are working today.

“…before any Boeing 787s or Airbus A350s can be dispatched, it’s important to make sure that the software is conformant. In that case, you might ask, why do we not also make sure the hardware is compliant? ”

Blockchain is maturing

OEMs are bringing the technology mainstream. PWC estimates $3.5b savings annually Figure 13

It’s really interesting that no task in the MSG-3 program talks about aircraft health monitoring (AHM). It’s been around for a long time and happens with all modern aircraft while MSG-3 philosophy still refers to hard time, soft time and condition monitoring. Whereas, if we perform the aircraft health checking on the aircraft every seven days, we know that it is performing as it should be. There are several tasks in the current MSG-3 philosophy that cover those areas and we need to start moving in that direction. From an IT standpoint and from a standards and protocols standpoint, there is a lot in terms of A4A and IATA coming up with how we should communicate when conducting aircraft transfers and for execution standards (figure 14). This activity has intensified in the last three years and the sector needs to start capitalizing on or conforming to these standards and I don’t know how many of the applications in the marketplace could claim to conform with them. To me this is the lynchpin of co-operation and collaboration which need to cross to the operators and OEM sectors but also the MROs and with airlines as well. And I applaud some efforts that can be seen on the other side with some of these products where the product and software vendors are going in that direction. They are creating centralized platforms for transferring aircraft, within the MRO systems which is an excellent move although it still remains isolated with just those users of their software rather than across the industry.

With LSAPs (Loadable Software Aircraft Parts), before any Boeing 787s or Airbus A350s can be dispatched, it’s important to make sure that the software is conformant. In that case, you might ask, why do we not also make sure the hardware is compliant? Why do we rely on MRO IT systems and configuration lists to tell us that? Why don’t we just get it straight off the aircraft? With 56 percent of the fleet expected to be data enhanced and connected over the next ten years, we might also want to look at hardware and Blockchain (Figure 15). PWC says that if we capitalize on Blockchain that will deliver $3.5 billion savings annually and there are several emerging Blockchain solutions out there

or proposed for parts, parts transfers, records transfer and tracing the digital footprints of these records and assets throughout their lifecycle. But, again, the OEMs are not afraid of it and are in it. So how do we capitalize on that in the operator community?

CONCLUSION

Operators are asking for more OEM involvement and the OEMs are willing to engage with that because, with their production order books full for the next eight years at current production rates, they want to be part of the aftermarket and are making inroads with predictive, prescriptive and AHM. We would do better to inherit digital threads and I think that, if, say tomorrow, you’ll be receiving a brand new B787, does it make sense managing that aircraft with the same systems as we use to control a classic 737? I honestly don’t think so: you shouldn’t, or you should find a way to apply a different philosophy. And, by extension, the product life-cycle management (PLM) and Enterprise Asset Management (EAM) used by the OEMs should be explored. Not that you have to use what the OEMs have but we need to start looking at usability or reusability in terms of inheriting. And I think that we’ll see the OEMs (the Boeings and Airbuses) using the many total care systems that exist for airframes and engines but in terms of becoming digital companies. Honeywell is the perfect example of becoming a digital company as well as GE. MSG-3 and IATA standards need to be revised and aligned and I think it’s the operator community that has to rally for that. Then last but not least, there needs to be more openness, trust and collaboration across platforms, and, of course, others in the ecosystem in order to make this work. SOLUTIONS IN PRACTICE: KAEMS SEABURY

Doing things right from the start Mr. Park Won, VP & Head of Operations at Korean Aircraft Engineering Maintenance Services (KAEMS) is interviewed on and discusses what led the Korean MRO to select Alkym, the challenges involved and the operational improvements from using the integrated MRO system. Perhaps before we dive into the substance of this article, we should first take a look at the key player, KAEMS.

KAEMS

KAEMS is a designated service provider from the Korean Government with over 200 employees. The MRO specializes in heavy maintenance for B737s along with depot maintenance for Korean Military aircraft. Further expansion to the hangar was added to the MRO facility which brought the total number of bays to five in two hangars with additional heavy maintenance capabilities for the A320.

As a startup MRO, KAEMS needed an MRO solution that supports maintenance quality assurance, and efficient work and process management. Another decisive factor was integrating a solution that supports compliance with various regulations. Mr. Won commented, “After analyzing the market and the characteristics, economics and efficiency of various products through an extensive RFP (Request for Proposal) process, Alkym was selected. The significant efforts of Kyungik An and Sangdon Kim during the sales phase had a major influence on the decision”.

SOLUTIONS IN PRACTICE: KAEMS SEABURY

The Korean MRO has been able to increase operational and financial performance by utilizing Alkym to drive efficiencies through their entire organization. Improved productivity in the overall process has also reduced revenue leakages and improved KAEMS’s ability to respond to customer needs, etc.

CHALLENGES OF IMPLEMENTATION

Implementing a new software solution alone entails many challenges. Carrying out such a project at the same time as establishing a company like KAEMS generates a whole load more challenges. In this special situation, the Seabury Solutions team focused on managing the following risks and completed the project within the specified time. Risk 1: The customer’s maintenance process, RSQM (Repair Station and Quality Manual), etc. might not be completely configured – the AMO (Authorized Maintenance Organization) certification had not

Seabury Solutions approach: Due to the flexibility of the Alkym system, changes occurring in the middle of the project could easily be taken into account and applied to the system. Risk 2: The provision of the customer’s data and form (Job Card format) might be delayed. SS Approach: The customer data was prepared relatively early through the efforts of KAEMS staff, so there was no problem. In the case of a form like the job card, Alkym’s existing form was provided in

reverse to KAEMS, contributing to a certain part in obtaining AMO certification (the form provided at the time is still in use) Risk 3: Considering that it is in the early stages of the company’s establishment, the project participation of client employees may be limited. SS Approach: Fortunately, some of the key users of KAEMS participated with enthusiasm during the project, and SS’s high-quality training program helped greatly in system adoption across the entire organization. Q&A

“Implementing a new software solution alone entails many challenges. Carrying out such a project at the same time as establishing a company like KAEMS generates a whole load more challenges.” Risk 4: It may take time to define and develop an interface as it proceeds in parallel with the implementation of legacy system (ERP, Groupware, etc.) SS Approach: Although it was the first experience of interface development with the local ERP system (Douzone iU), SS was able to successfully complete interface definition and development by separately deployed Business Analysis for interface development only. KAEMS opted to select the full suite of Alkym modules in order to support their operational requirements and drive efficiencies through their entire organization. Mr. Won also noted, “In spite of the short seven months’ schedule and limited input resources from KAEMS into the project, I am glad to be able say that we have finished the project successfully. I highly appreciate the training and implementation skills and passionate attitude of the consultants from Seabury Solutions.” The Seabury Solutions team pride themselves on fast and effective project implementations, exceeding customer expectations, and the support team can be accessed 24/7 through the global network of offices, which was another important consideration when selecting the right vendor for KAEMS. “Another advantage of Seabury Solutions is their support. The On-Line Helpdesk enables real-time support between users and support engineers, and supports an immediate response to any problems

encountered during use. All submitted tickets are managed through the ticket management and phone services, so follow-up is easy.” added Mr. Won.

KAEMS & Seabury Solutions Implementation Team

To conclude, Mr Won answered a few relevant questions.

Seabury Solutions: Have you experienced any improvements in planning/production activities since the Alkym implementation? Mr. Won: After creating a Task Master based on the standard Task Card of the manufacturer, which is commonly used as an international standard, it was possible to define the necessary materials and tools, and to define the standard labor requirements. Through the customer’s proposal, it was possible to determine the work scope and calculate the related quotation and Turnaround time. In addition, it was possible to check the appropriate work balance through capacity analysis compared to workload, and it was possible to acquire necessary material inventory and establish procurement plans. As a result, it was possible to efficiently execute work planning and execution. SS: Have you experienced any improvements in materials/logistics management? Mr. Won: Alkym checks the available stock for the materials needed to be used, prepares for the release of goods according to the condition, and automatically generates a ‘No stock’ to make purchases. Through this, automation of logistics efficiency is realized through material shortage prevention, etc., and a timely procurement system is established.

MR PARK WON

“Alkym checks the available stock for the materials needed to be used, prepares for the release of goods according to the condition, and automatically generates a ‘No stock’ to make purchases. Through this, automation of logistics efficiency is realized…” SS: Have KAEMS noticed any benefits to their financial management as a result? Mr. Won: We now get aggregation of raw data of material cost and work effort (M/H, etc.) from Alkym and transfer it to our local ERP system (Douzone iU) through the interface. Based on this information, the ERP generates the financial report. SS: Have KAEMS noticed any improvement in their Quality/Safety practices as a result of implementing Alkym? Mr. Won: Yes, now we can automate the organization’s processes that were previously managed manually and can establish a compliance system for various regulations.

KAEMS receive FAA Cerification

SS: What improvements have KAEMS employees noticed in their daily activity or work practices? Mr. Won: By establishing work processes based on system processes, standardization and automation of work have been implemented to help change management. Now users can easily access system data through existing reports, queries, etc. which is a great advantage. Users can also easily migrate various technical data using the M-Transfer Tool, (Massive Data Transfer) and management of data and attached documents (Manufacturer’s Manual, etc.) is made easier through the DMS (Document Management Solution) system integrated with Alkym. In addition, we would like to improve the system to freely create and edit new Reports, Queries, etc. for users who are familiar with development languages. SS: What’s next for KAEMS? Mr. Won: KAEMS plans to increase the range of system usage and utilization capabilities after 1½ years operating with Alkym, from work programs and standard MH (Man Hour) management. This will enable more realistic production planning in the future, improving maintenance efficiency. We also plan to increase the use of Tool & Equipment Management and M-Transfer functions through the next version update scheduled in the future. AIRCRAFT IT MRO • WINTER 2020 • 55

Park Won joined KAEMS in 2018 and has over 23 years of Military and Civil aviation industry as Engineer and Manager for a broad range of business areas. As a vice president within KAEMS, from the preparation stage of KAEMS to the present, he made a great contribution to the fast establishment of the business by utilizing his various experiences.

KOREAN AIRCRAFT ENGINEERING MAINTENANCE SERVICES (KAEMS)

AIRCRAFT MRO: VENDOR JOB CARD

VENDOR JOB CARD: EXSYN

Rob Vermeij shares the continuing drive for improvement that underpins EXSYN’s success Rob Vermeij is the Head Of Operations at EXSYN Aviation Solutions, being responsible for all customer projects and acting as account manager. He joined EXSYN as the second employee in 2014 and was in post at the birth of TITAN, EXSYN’s data migration solution. Rob holds a MSc from Cranfield University in Air Transport Management and a second degree in aeronautical engineering. Aircraft IT: Your name, your job title and the name of the business? Rob Vermeij: Rob Vermeij, Head of Operations at EXSYN Aviation Solutions Aircraft IT: How did EXSYN Aviation Solutions get started? RV: EXSYN started out in 2011 as a consultancy company focused on supporting airlines implementing MRO systems. Over the course of several projects, use cases were encountered that triggered the development of what now is EXSYN’s product and services platform. This started with the release of our Aviation Data Migration Tool, TITAN, in 2014 and, in 2015, was followed by our Data Analytics and Predictive tool, Avilytics; then, more recently, frameworks for adoption of Robotic Process Automation. This resulted in EXSYN’s unique positioning as being a niche leader in offering digital solutions for aircraft maintenance & engineering data.

Aircraft IT: What is the guiding business principle that drives the business? RV: Transparency and flexibility have been at the core of our team since the beginning. Whatever we do, we strive towards a full cooperation to achieve the projects goals, instead of two entities sitting on different sides of the table. Everyone in the business is encouraged to speak their mind, both internally but also externally, to ensure nothing is missed and all ideas have been heard. Aircraft IT: What has EXSYN Aviation Solutions’ greatest business achievement been to date, and why? RV: While we’ve had some major milestones in our nine-year history, at the moment we consider our greatest achievement that we’ve been able to keep the EXSYN team together in its entirety during the Corona times. Partly in thanks to that we’ve been able to adopt and apply technologies designed for AIRCRAFT IT MRO • WINTER 2020 • 56

aviation in other industries as well. That’s also a great opportunity, to take the experience from these industries back into aviation.

“…we consider our greatest achievement that we’ve been able to keep the EXSYN team together in its entirety during the Corona times. Partly in thanks to that we’ve been able to adopt and apply technologies designed for aviation in other industries as well.”

AIRCRAFT MRO: VENDOR JOB CARD

“…our focus in this area is now more on supporting airlines to become ready for using predictive analytics than purely offer the AOG risk monitor and then we enable them to use it.” Aircraft IT: What have been the disappointments for EXSYN Aviation Solutions and what have you learned from them? RV: As you know predictive maintenance is a hot topic within the aviation industry. Since 2017, EXSYN has been offering the Avilytics AOG risk monitor that uses data from MRO systems as well as onboard aircraft data to create risk profiles of aircraft in the fleet and the probability of component failures. However, we had to accept a rather slow adoption as we underestimated that many airlines are not ready yet to really adopt predictive analytics and a predictive maintenance philosophy. Based on this experience, our focus in this area is now more on supporting airlines to become ready for using

predictive analytics than purely offer the AOG risk monitor and then we enable them to use it. Aircraft IT: In a sentence, how would you summarize what the business does for aircraft maintenance customers? RV: Enabling the maintenance & engineering industry to drive the most value out of digital technology and fully integrate this with daily business. Aircraft IT: What will be the next big thing in maintenance Aviation IT? RV: I could start about the many new technologies EXSYN is looking into, but to give a realistic answer, especially in these times, the next big (and

necessary) thing is to finally fully digitise and integrate the administrative workflows of maintenance, end to end. There is still too much ‘waste’ in these processes, where data is registered manually in different places/systems. This is not only a next step for individual airlines per se, but something that will happen industry wide. Aircraft IT: What do you want your customers to say about EXSYN Aviation Solutions RV: That EXSYN made a difference and is a valued colleague that seeks the best solutions together with the customer. Aircraft IT: Rob Vermeij, thank you for your time.

aving endured many months of enforced inactivity or reduced activity, the aviation sector needs now to be looking to the future. So, in this article, I want to share with readers an industry restart plan that has been developed in IATA for the TechOps area.

ABOUT IATA

For readers who might not be familiar with what IATA does, I suggest that you go to YouTube and find the IATA TV page and the two-minute video that describes the IATA Mission, also describing how many airlines are members today and IATA’s motto, ‘To represent, to lead and serve the aviation industry’.

Figure 1

So, let’s start with a few words about the IATA Governance structure and where my colleagues and I sit within that structure. The structure on the slide is schematic; it is not an official org chart. As you’ll see, there are external and internal verticals on the schematic. That means that some industry related and some internal IATA actions and decisions are closely coordinated with the external groups, which consist mainly of airline representatives together with representatives from original equipment manufacturers (OEMs), some standard setting organizations, regulators and IATA’s strategic partners. Marked out in red is the Advisory Council that refers to my department and division and the Engineering and Maintenance Group (EMG) that is the holder of all documents and actions in the TechOps area.

Governance Structure

With understanding of the governance structure (figure 1), it would be easier to understand the actions that IATA has undertaken to help the airline industry recover from the effects of the COVID pandemic.

CURRENT ECONOMIC SITUATION IN THE AIRLINE INDUSTRY Before moving on to our activities within the TechOps and the aircraft maintenance area, I’d like to briefly discuss the overall economic situation of the industry. (figure 2.1).

Figure 2.1

AIRCRAFT IT MRO • WINTER 2020 • 59

WHITE PAPER: IATA

These figures are courtesy of IATA’s chief economist’s office showing the current situation. Figure 2.1 shows the total number of flights from the beginning of the year until the beginning of October and clearly shows the steep decline in activity related to the pandemic in the second half of March followed by a slow and difficult recovery through the summer which, as readers will know, has been mainly attributable to the pick-up in domestic markets. As domestic markets have become saturated but international markets have not yet opened there is a plateau in July-September and a slight decline in the line to October. We can also note that, historically, activity in winter is somewhat slower than in the summer period.

“…the number of active aircraft is never 100 percent, there is always a base line of approximately 10 percent of aircraft that are parked for various operational or maintenance/technical or business reasons…” The graph in figure 2.3 represents the forecast trend of passenger traffic for the next three years. IATA’s economists believe that traffic will not recover to its pre-COVID baseline and trends until 2024 and even with that there is a wide range of uncertainty which will include factors like the progress of vaccines and vaccinations (there had been some positive news on this front at the time of writing), the existence of governmental restrictions and other factors.

Figure 2.2

Figure 2.2 shows that, at the time of writing, the international market still remained largely closed owing to quarantines and border closures, so the overall number of flights is significantly lower.

Figure 2.4

Figure 2.3

In figure 2.4, we have compared the number of parked aircraft at two points in a year, April 2019 vs April 2020, and September 2019 vs September 2020. This shows that the number of parked aircraft increased by April 2020 but that by September 2020 there was some improvement. However, we should also keep in mind that the number of active aircraft is never 100 percent, there is always a base line of approximately 10 percent of aircraft that are parked for various operational or maintenance/technical or business reasons, so we should discount the percentage of currently parked aircraft by the percentage of aircraft that would normally be parked anyway. revenue. Also, it can be seen that, while there is still a loss result on a flight in the Transatlantic region, in the Middle East/Asia region flights are still profitable mostly due to that increased cargo belly revenue. Also, in the Asian region, some domestic markets are almost restored to pre-pandemic levels which further improves the situation and generates profit on the average flight.

IATA AT THE FOREFRONT OF ADVOCACY FOR A SAFE RESTART

Now, let’s take a look at the measures and activities that IATA has undertaken and supported since the beginning of the pandemic. IATA has been staunchly advocating for the safe restart of the industry and for relief measures to support the industry during the crisis. In support of this, IATA has been working with our member airlines, ICAO (International Civil Aviation Organization), with WHO (World Health Organization), and with the many stakeholder organizations to, raise awareness of the difficulties that operators are facing today, and to support operators in accessing the necessary help and support (figure 3).

Figure 2.5

In figure 2.5, we can also see the approximate structure of revenue from a flight in pre-COVID times and that shows that passenger revenue equates to 91 percent of revenue for the Transatlantic region and nearly 80 percent in the Middle East/Asia region. It also shows the moderate profit levels generated in both regions and it shows what cargo belly revenues contribute respectively to the revenue. Holding this in mind as we look at figure 2.6 to see the current situation post-COVID…

Figure 3

Figure 2.6

… right away, it can be seen that cargo belly revenues have increased respectively for Transatlantic and Middle East/Asia in the structure of flight

At the bottom of the figure, you can see a number of tabs. First, the CART/IATA Guidance shows the activity that has been carried out jointly with ICAO which came forward with the Council Aviation Recovery Taskforce (CART). IATA has been a regular participant in CART meetings, working with our member airlines to share industry expertise and know-how. Our website contains a lot of information to support our members and other stakeholders during this crisis and to help prepare for the restart.

“…the Industry Restart Plan comprises four parts over two areas: each part will be dedicated to a specific airline industry area; the technical operations are situated in the System Capability section.” INDUSTRY RESTART PLAN

At the beginning of the pandemic, many of our activities were placed on hold, and the Board of Governors established new emergency priorities. These new emergency priorities became the basis for creation of the Industry Restart Plan.

Figure 4

As readers will see in figure 4, the Industry Restart Plan comprises four parts over two areas: each part will be dedicated to a specific airline industry area; the technical operations are situated in the System Capability section. There are also activities underway on Stimulating Demand, working with passengers and working with bio-safety in Travel Experience and working to Restore Confidence, convincing states that there is a safe and efficient way of travelling without completely closing borders.

Figure 5

System Capability includes a few areas supporting return to service. In particular, we look into ‘Airline Personnel Readiness’ with all the issues related to the renewal and extension of the licenses needed for the personnel, facilitating the necessary training in the circumstances of the borders closure. We also are looking into airline readiness, including getting all necessary certification and, beyond that, to have aircraft ready to fly. As you’ll see on the right side of the slide ‘Airworthiness and Tech Ops, and MRO’, is part of Airline Readiness. I’d like to say a couple of words about airline personnel, specifically technical personnel and aircraft maintenance personnel who would be in the ‘Airline Personnel Readiness (Licenses) rectangle. At IATA, we have looked into the issues with licenses with regard to aircraft maintenance personnel: these covered a few issues including whether there are any difficulties with obtaining the licenses, renewing the licenses, or whether there are any shortages of personnel to do the work during the pandemic. Also, we have investigated whether there are any problems with the access of personnel to the remote locations where the aircraft are parked. After some exchanges with the operators and some surveys, we have realized that, in fact, the industry is coping quite well and no specific measures are needed at this moment on the global scale to help with the licenses renewals. For that reason, the work in that area has focused mainly on pilot training and licensing.

System capability — TechOps issues

So, then, if we look to Airline Readiness and specifically in the area of Airworthiness and TechOps (figure 6) we observe a few issues in that area.

WHITE PAPER: IATA

“…aviation authorities permit the transportation of medical equipment in the passenger cabin but that permission is based on exemptions given by the various authorities.”

Figure 6

I’d like to start with the question or topic that naturally flows out of the earlier figures 2.5 and 2.6, about changes in the revenue structure of a flight where we saw that revenues from cargo have significantly increased. In addition to the belly cargo profits, airlines have also realized that the passenger cabin can be and should be utilized for transportation of personal protective equipment (PPE) that was essential in the early days of the pandemic and also to generate some revenues to support the airline while passenger traffic is low. This is how the issue of transportation of cargo in the passenger cabin came

up. Readers will be aware that aviation authorities permit the transportation of medical equipment in the passenger cabin but that permission is based on exemptions given by the various authorities. In figure 6, you’ll see some of the references for these exemptions. However, the exemptions are soon due to expire which would not solve the problem for airlines utilizing the passenger cabin to generate much needed cargo revenue. As a result, IATA sought to identify some not especially new but not widely used solutions. These included cargo bags on passenger seats, also some new STCs (Supplemental Type Certificates) were developed plus the OEMs have developed some SBs (Service Bulletins) to serve this end. The other issue that has become apparent and very important for the continuation of operations is the bio-safety of personnel on board, including crew, maintenance personnel and the disinfecting of surfaces and equipment on board.

AIRCRAFT IT MRO • WINTER 2020 • 63

WHITE PAPER: IATA

These requirements have also been driven by the authorities (EASA, FAA, etc.) with an increase in the amount and complexity of those requirements, and OEMs, of course, were at the forefront of development and approval of the disinfecting methods employed. Some of the available options for disinfecting before the current situation, include chemical disinfectants, electrostatic sprayers, use of HEPA (High Efficiency Particulate Air) filtering into the cabin airflow systems (which is the case for almost all aircraft today), UV (Ultra-Violet) technology and antimicrobial coatings. But, of course, some other solutions have also been considered and could be further developed such as thermal disinfection, ionization or a UV capability that can be built into aircraft. With these requirements, the OEMs have intensified their efforts on this subject and have focused their communication with operators through topic dedicated AOTs (All Operator Telexes) and MOMs (Multi Operators Messages) plus raising the awareness of operators about new methods of disinfection and their approvals. We also know that, with extended aircraft parking, maintenance programs have been significantly shifted or changed. So, at the beginning of the pandemic, we knew that close to 70 percent of aircraft were parked. We also know that the OEMs have started reviewing their proposed aircraft maintenance programs as formalized in their MPDs (Maintenance Planning Documents) for more flexibility due to the uncertainty that the pandemic has brought about plus due to the uncertainty as to when and how the aircraft will next be needed for operations (figure 7).

IATA was invited to be part of and contributed to the work done by ICCAIA (International Coordinating Council of Aerospace Industries Associations), and, as a result, definitions of extended parking and storage have been developed. IATA was, at the time of writing, conducting a data collection project on parked and stored aircraft: the definitions in figure 7 are given in the data collection and are taken as a base in that data collection. So, how, exactly, has extended parking impacted on operations. As we’ve already considered, normal aircraft maintenance was replaced by the preservation procedures taken from the OEMs — Chapter 10 of (aircraft type) Aircraft Maintenance Manual — plus, of course, there are a set of new recommendations that have been developed by the OEMs. These new parking and storage programs have the objective to preserve the airworthiness of an aircraft while keeping it ready for operation at any given time. Then, of course, OEMs and operators work together to look into existing maintenance programs to reduce the maintenance burden of MPD (Maintenance Planning Document) and OMP (Operator Maintenance Program) tasks — on a parked aircraft and revise calendar or time-based maintenance tasks. The aim is to see if some can simply be postponed, or another term that has been familiar in various groups is so-called ‘clock stoppage’. In fact, the OEMs have been able to revise maintenance programs and to push many tasks intervals from, say, seven to 14 days, 30 to 90 days or 90 to 180 days. One good example of this work is that Airbus’s requirement to perform a non-revenue flight after 90 days of parking has been moved to 180 days and, for some types (still to be confirmed at the time of writing) to as much as 360 days, 12 months of parking. All OEMs are undertaking similar exercises and these sorts of measures alone have saved millions of dollars for the industry. We have also seen, from some surveys conducted by IATA, that operators are striving to keep their fleets operational and not rushing to preserve their aircraft in prolonged

“There have also been issues with pitot probes and static port orifices where the tubes have become clogged with insects and debris and will then need a thorough clean before the aircraft is returned to service.” Figure 7

WHITE PAPER: IATA

storage. That would require many laborious tasks such as removing the carpets, the oxygen bottles, batteries and other components plus moving the aircraft to a remote location from which it can often be difficult to retrieve it. So, contrary to the fact that almost 70 percent of the global fleet was parked at the beginning of the pandemic, the operators have remained conservative and did not want to send those aircraft into storage. In figure 8, I’ve set out some basic information about the impact of extended aircraft parking and some mitigation actions to address those impacts. I’m sure that engineers reading this could add a few more but the table includes some issues that have manifested themselves during the pandemic.

Figure 9

I hope this has both reassured and informed readers about the specific issues that the COVID pandemic has brought to the airline business. Also, some of the initiatives in which IATA is engaged to ensure that airlines know what to do when the time comes to bring all of those parked aircraft back into full revenue generating service.

IRYNA KHOMENKO

Figure 8

Corrosion is an issue, especially for operators who are based in warm humid environments plus, as winter comes on, in a wider range of places. There have also been issues with pitot probes and static port orifices where the tubes have become clogged with insects and debris and will then need a thorough clean before the aircraft is returned to service.

IATA Guidance Material

So, to summarize, I’d like to draw your attention to the many documents put forward in the TechOps area to help airlines in coping with this current situation and specifically for major documents that are publicly available on the website. These documents cover a range of topics. There is ‘Guidance for managing aircraft airworthiness for operations during and post pandemic.’ ‘Aircraft cleaning and disinfection during and post pandemic.’ which has been drafted in collaboration with OEMs and operators and covers procedures and new methods. Also, IATA has given a series of virtual webinars during the pandemic, including ‘Maintenance Cost Conference 2020’. There is also guidance on the increasingly topical subject of ‘Carriage of cargo in the passenger cabin’ as mentioned earlier in the article.

Iryna Khomenko is a Manager of Operational Efficiency in IATA with 14 years’ experience in Aircraft Operations including, for the last six years, being responsible for development and progress for several projects within the Digital Aircraft Operations Initiative. Before joining IATA Iryna worked at Aerosvit Airlines in Ukraine for six years, having started her career in Ukrainian — Mediterranean Airlines after she had obtained her master’s degree in Management and Economics.

IATA

The International Air Transport Association (IATA) is the trade association for the world’s airlines, representing some 290 airlines or 82% of total air traffic. IATA supports many areas of aviation activity and helps to formulate industry policy on critical aviation issues. Over more than 75 years, IATA has developed global commercial standards upon which the air transport industry is built. The aim is to assist airlines by simplifying processes and increasing passenger convenience while reducing costs and improving efficiency.

Some of these variables are maintenance programs limits, min/target/max yield, aircraft hr/cy utilization, track/requirement compatibility, and maintenance allocations. To forecast an optimal maintenance plan within an operation, Aerros also provides a Capacity Planning feature. This feature allows users to input and view vendor capacity available and labor hour demand to better manage the labor force. Aerros also provides easy-to-navigate scenarios with drag and drop event movement and manipulation. Scenarios can be published so others (including vendors or operators) can view the plan. Aerros provides excellent system stability and reliability with standard IT practices. It is also integrationready and designed to work as an extension of a user’s existing information systems.

AIRCRAFT IT MRO • WINTER 2020 • 72

The Management Information System for Aviation (MISA), is a fully integrated, and expertly supported product that provides extensive tools for an aviation company to manage all aspects of their business, including accounting, maintenance, inventory management, purchasing, flight operations, employee training, human resources, payroll, labor collection, government contracting, and flight school management. It is a common practice for aviation companies to use multiple applications to manage their operations. Often, such applications have limited interfaces necessitating duplicate data entry — a recipe for inducing errors and decreasing efficiency. And even when interfaces exist, they can be difficult to manage and require resources to build, maintain, and support them. MISA provides the solution for these issues by standardizing, streamlining, and integrating business processes across all the various departments and functional areas within the company; and this integration improves the bottom line while providing employees a user-friendly and consistent application experience across the whole organization and access to real-time, comprehensive, and relevant information from a single system rather than from disparate sources. MISA boasts impressive customer loyalty as evidenced by a number of aviation companies who have used MISA as their ERP system for more than two decades.

Pilots work with the easy to use YM Offline App and enjoy role-specific revision updates instead of having to go through hundreds of revised pages. Editors create and enhance content in the YM Editor while revisions become manageable again thanks to the fully integrated YM Workflow. Company guides (e.g. Winter Ops Guide) can be created without having to worry about duplicates anymore since information is only contained once in Yonder Mind. And never miss a change in regulation again thanks to our IQSMS Connector. We have over 15 years of experience with electronic documentation in aviation that we can leverage to our customers’ benefit. Our team has a diverse background ranging from a former EFB administrator for a large international airline to a long-haul captain knowing, from his own experience, what crews need.
