Aircraft IT Operations: Articles about the software solutions that keep aircraft flying safely and efficiently

There was a time when the miracle of flight was thought to be that such heavy machines could leave the ground at all. A fully fueled Boeing 747 with passengers and cargo loaded will weigh something like 265 tonnes. There’s a reason why large jet call signs include the word ‘heavy’. But readers know that the fact of aircraft flying is not the miracle, it’s physics and engineering. The real miracle is the process of working with these incredibly complex machines and ensuring that they do what they were intended to do in challenging and changing conditions. That’s Flight Operations and, with that growing complexity of aircraft, the ever-extending reach of regulation, the economics of flying, the need to reduce fuel use and emissions as well as the need to avoid some airspace, Operations are as complex as aircraft. That’s why IT is no longer an option for airlines and operators, it is the technological backbone of the whole business of flying.

In this issue of AircraftIT Operations there are articles covering several key aspects of flying commercial aircraft, including two case studies on fuel efficiency, the topic that keeps airline accountants awake at night. From Philippine Airlines and from Wizz

Air, you’ll read about two different modern, data-driven and Artificial Intelligence powered solutions being applied to reduce fuel and emissions. From Iceland Air, there is a great case study on the implementation of a new quality and safety management solution and how it has been integrated with the other key systems at the airline. Then Sunclass Airlines relates the remarkable story of how, following the collapse of the Thomas Cook group, one of the airlines in that group managed to get back flying in just a matter of months; but having to implement all necessary IT systems from scratch and contemporaneously.

MNG Airlines deploy the Flightman EFB solution

In mid-November 2022, it was announced that MNG Airlines, the Istanbul based cargo airline, had selected Flightman to deliver EFB software technology that will streamline their Flight Operations processes.

The solution includes eJourney Log, Electronic Flight Folder, Large Content Manager, eReports together with the Flightman Business Intelligence module. This complete EFB software solution will connect MNG Airlines’ fleet of Airbus aircraft to their back-office systems and reduces operational workload by ensuring single point data capture.

SITA eWAS Dispatch helps Azul enhance its weather resiliency

In mid-October 2022, Brazilian carrier, Azul Linhas Aéreas Brasileiras (Azul), announced that it has implemented SITA eWAS Dispatch, a newgeneration flight tracking and weather data solution, giving dispatchers a real-time view of the location of every aircraft, and live and upcoming weather hazards. This visibility will bring improved operational efficiency, climate resiliency, and safety, including carbon emissions and fuel consumption savings.

Climate science studies warn of increasing hazardous weather events linked to the changing climate. The World Metrological Organization (WMO) highlights that Latin America and the Caribbean (LAC) is a region significantly impacted by extreme weather and climate change. Early warning systems and climate services can help reduce climate impacts, but these are lacking in the LAC region, according to the WMO.

As a carrier operating domestic and international flights across the LAC region, Azul has selected SITA’s cloud-based tracking and weather awareness solution to strengthen its weather resiliency and safety. Instead of the usual approach of a single weather source, eWAS Dispatch has global weather coverage from multiple providers, allowing dispatchers to make better decisions based on more accurate and extensive data. The solution also features an early warning system that provides alerts on potential weather issues. It is also Global Aeronautical Distress and Safety System (GADSS) compliant – the industry standard for global flight tracking.

Severe weather events often prove expensive for airlines when factoring in the cost of network and operational impacts, passenger reallocation, and so on. SITA estimate that its eWAS Dispatch solution could save around $600,000 in avoiding just one weather incident. The flight replanning feature can

save airlines like Azul approximately 153 tons of fuel and 488 tons of CO2 per year based on conservative estimates. The carbon reduction benefits support Azul’s sustainability ambitions to be net-zero by 2045, five years ahead of the industry’s long-term net-zero carbon emissions by 2050 goal.

NVable announces live operation of converge electronic techlog with Enter Air

In early September 2022, NVable was proud to announce announced that Enter Air is now using it’s Converge Electronic Techlog in live operations across the airline. The Converge Electronic Techlog, configured to Enter Air processes, was approved by the Civil Aviation in Poland for live operations from the beginning of September 2019.

eTT Aviation Signs Contract with AirDialog to Provide Business Software Solutions

In mid-November 2022, eTT Aviation announced a multi-year contract with AirDialog to provide its SkedFlex Management Information System for Aviation (MISA) Product, software solution to manage complex operations more efficiently and profitably. Korean Air chooses SkyBreathe® 360° eco-flying platform to save fuel

In mid-October 2022, Korean Air, the flag carrier of Korea, announced that it is leveling up its commitment to environmental protection by implementing SkyBreathe® eco-flying software to maximize fuel efficiency and reduce aircraft carbon emissions

Under this agreement, OpenAirlines will implement SkyBreathe® eco-flying platform, the world’s leading fuel efficiency software. The software will automatically analyze the flight data of the airline’s 155 aircraft daily to improve operational efficiency at the fleet, route, and individual flight stage levels.

The Big Data solution integrates multiple data sources for each flight in a single database. It computes achieved and potential savings considering the exact flight conditions, such as weather, flight path, Air Traffic Control, and payload, to produce highly accurate fuel metrics.

Texel Air selects Conduce eTechLog8

In early December 2022, Conduce was delighted to announce that Texel Air have selected the Conduce eTechLog8 ELB/ETL solution to replace all paper journey, defect, and technical logs as of 01 December 2022. Texel Air are Conduce’s second customer in Bahrain, seventh customer in the Gulf region.

Texel Air is a Cargo Airline and MRO based in Bahrain. It was founded in 2013 by Chisholm Enterprises and commenced operations in 2014. The airline has its main hub at the Bahrain International Airport and its fleet consists of one Boeing 737-300F and two Boeing 737-800BCF, as well as two Boeing 737-700FC FlexCombi, capable of swiftly converting between passenger and cargo operations. Texel Air is an ACMI/charter cargo airline and Aircraft Maintenance Repair Organisation (MRO), supporting global clients and is committed to going the extra mile for customers.

As part of the project, the Conduce eTechLog8 application will be fully integrated into Texel Air M&E. Conduce depth of experience and practical ELB knowledge is expected to facilitate an on-time and on-budget ELB project, with full fleet paperless ELB operations targeted completion in Q2/2023. Lido mPilot 6.2: Upcoming release featuring Company Layers, Cold Weather Correction and more

Lufthansa Systems released some new features with Lido mPilot 6.2 in Q4 2022. The release introduced the possibility to display airline specific content called Company Layers, a Cold Weather Correction calculation tool, and included improvements such as ground and terminal charts effectivity and airspace labelling by ‘class’ and ‘name’. Additionally, some minor improvements following customer feedback from Lido mPilot 6.1 featured.

Company Layers offer the possibility for the airline to create content currently available in separate airline documentation and display that in mPilot. Examples are security airspaces, decompression routes or anything else you want your pilots to see.

The Cold Weather Correction calculator is a new feature in mPilot that enables the cold weather correction in the terminal chart, where you need it, and prominently displays on top of the

terminal chart. With this feature we eliminate the use of separate tables or apps to do this correction and display the data where required.

Another offering in this upcoming release is the support of STAP protocol to support the latest updates from Aircraft Interface Devices (AIDs) from Collins Aerospace and FOMAX from Airbus.

A further addition is the option to preview future effective charts. Up to two weeks before effective date, pilots will have the opportunity to preview future effective charts.

Wamos Air selects Conduce eTechLog8

Conduce and Wamos Air were delighted to announce that on 18 November 2022 Wamos Air had selected the Conduce eTechLog8 ELB solution to digitalise their aircraft technical logbooks. eTechLog8 will completely replace the current paper-based aircraft technical logbooks including the deferred defect and cabin logs. The project scope also includes full integration with the CAMO/Maintenance System in use at Wamos Air.

The project commenced immediately, with both teams committed to removing the paper and achieving full ELB approval from AESA by Summer 2023.

PassionAir chooses Rusada’s ENVISION

In early October 2022, Ghana’s second largest airline, Pisces Aviation Ltd DBA PassionAir, announced that it had opted for Rusada’s ENVISION software to manage its airworthiness, maintenance, and flight operations.

STUDY: WIZZ AIR

Ifrom them, I want to use this article to share our experience at Wizz Air with the implementation and the use of a most accurate fuel efficiency solution that harnesses data and full potential of artificial intelligence to provide high quality and actionable information on which good decisions can be based. But before even that, I’ll tell you about Wizz Air.

WIZZ AIR

Wizz Air, the fastest growing and most sustainable European ultra-low-cost airline, operates a fleet of 170 Airbus A320 and A321 aircraft. A team of dedicated aviation professionals delivers superior service and very low fares, making Wizz Air the preferred choice of 27.1 million passengers in the Financial Year F22 ending 31 March 2022. Wizz Air is listed on the London Stock Exchange under the ticker WIZZ. The company was recently named one of the world’s top ten safest airlines by airlineratings.com, the world’s only safety and product rating agency, and 2020 Airline of the Year by ATW, the most coveted honour an airline or individual can receive, recognising individuals and organisations that have distinguished themselves through outstanding performance, innovation, and superior service. Wizz Air was also rated the most sustainable airline in Europe by Sustainalytics in January 2022.

Up until 2019, Wizz Air was using a legacy solution to perform its APM (Aircraft Performance Monitoring) process, involving a manual calculation of aircraft performance deterioration (figure 1).

It was a time-consuming process, involving lots of data, that had to be done aircraft by aircraft on a quarterly basis. We wanted to move to a monthly calculation, but it proved to be quite challenging, creating the problem of spending more time processing the data rather than doing any actual analyses. Considering this, we decided to implement AdvancedAPM, StorkJet’s fully automated solution for aircraft performance monitoring. Fortunately, Wizz Air aircraft are equipped with wireless QAR, so flight data is automatically transmitted to the airline’s servers when the aircraft is on the ground, and from there, directly to StorkJet. Using QAR data generates much more data for processing — even up to

fifty stable segments — in which different parameters are measured, analyzed, and processed to measure actual performance against book level performance. Through an available API, we can integrate this information to update our Flight Planning System.

The aim of having these accurate and up to date performance factors in the Flight Planning System (figure 2) is to reduce overburns and to increase the pilots’ confidence in the OFP’s fuel predictions.

PERFORMANCE FACTORS WITH DAILY RESOLUTION

Moreover, it’s a safe way to reduce the use of discretionary fuel by the pilots if they consistently see that the planned fuel matches the actual fuel burn of the aircraft. At the same time, it reduces statistical contingency fuel since it’s calculated on the difference between planned and actual fuel burn.

We can further save on engine maintenance thanks to take-off thrust reduction monitoring which is also available in the StorkJet platform. Plus, in case of increased performance deterioration, the platform can help us identify the root cause of the problem. Additionally, automated alerts are received when such changes in the parameters take place.

Based on idle factors calculated by AdvancedAPM, we have been performing more fuel efficient descents (figure 3). Descent optimisation is a quite crucial action to reduce CO2 emissions.

There are many external factors that are not in the airline’s nor the pilot’s control during the descent phase. The saving potential is substantial, but also limited by airspace restrictions. An optimal idle factor aids the FMS’ calculation of the TOD (Top Of Descent), minimizing unnecessary levelled flight due to engine performance variations.

The use of accurate idle factors saves on average 7 kg of fuel per flight. On top of this, most of Wizz Air’s new aircraft are equipped with Airbus DPO, further expanding the saving potential during descent.

FUELPRO FUEL EFFICIENCY PLATFORM

Wizz Air had developed an in-house fuel efficiency platform, where QAR flight data was processed and integrated with other data sources (OFPs, load sheets) to measure compliance to a defined set of fuel saving initiatives. However, over time, it became a constraint when new fuel efficiency initiatives were planned to be introduced or further analysis was needed (figure 4).

There were a limited number of initiatives that we were able to monitor. Besides, collecting the underlying data to generate ad-hoc analyses (e.g., trying to correlate overburns with flight planning parameters) involved an IT request which could take a couple of days. There was little to no flexibility when policy changes were introduced, even if they were temporary. And finally, all the savings were calculated based on assumptions or theoretical models: we were not assessing or simulating each flight and their actual flight conditions.

FuelPro, supports up to 44 different savings initiatives categorized by phase of flight — from fuel policy, flight planning, ground operations, departure, cruise and descent phase. Through the platform we can access all the parameters available to create charts and reports that we can save and download for analysis. Target setting is also fully customisable: depending on the initiative, we can set different targets by aircraft type, departure/arrival airport, time of the year, etc. We regularly update these values based on pilot feedback and experience, allowing us to have reliable and realistic goals. The savings for each initiative are calculated based on tail-specific performance models within the platform, so that we can know precisely what the savings would have been for a given flight, for that specific aircraft, at that specific gross weight and in those specific atmospheric conditions.

As mentioned before, QAR flight data was already shared with StorkJet’s AdvancedAPM platform, so no additional effort was required from our side to have this data also in FuelPro. Additional data sources needed for the platform were the OFPs produced by the Flight Planning System and crew planning information to match the crews to each specific flight. All the data is processed and integrated into a single platform.

There are several user groups within Wizz Air using this integrated source of data: pilots, for example, can access their own statistics on compliance to various fuel saving initiatives through FlyGuide, the available EFB app. Through this app, pilots can also get a better understanding on how the different fuel saving initiatives are measured and the reasons behind their implementation.

Airline management can have access to a set of customised dashboards, where they can get a quick overview of the progress of the whole Fuel Efficiency programme. The performance of the most significant fuel saving initiatives can be easily visualised by tracking their compliance over time and the associated predefined targets. At the same time, the initiatives with the highest saving potential can be identified, so we know where to put our efforts to assure a successful programme.

In the Fuel Efficiency team, we can monitor compliance in a much greater detail for an even larger set of initiatives. Additional analyses can be performed in case we identify a decline in compliance at a particular airport or specific aircraft type. At the same time, we can precisely measure the impact of a policy change in our operations, regardless of a possible limited applicability. It also gives us the possibility to find new fuel saving opportunities by using advanced filtering or by creating completely customizable reports and charts, with every flight parameter available for analysis and correlation.

FUEL EFFICIENCY ANALYSIS

During the implementation period, we worked closely with StorkJet on creating an extensive assessment of optimization opportunities in our operations. Using tail-specific fuel burn prediction models, the estimated saving potential for 44 fuel initiatives was calculated. For internal validation and alignment, we conducted workshops with experts from different operations departments and StorkJet. We created reliable targets and, in some areas where we thought there was no room for improvement, we discovered additional opportunities for further optimization. In the end, we identified the ten fuel initiatives with the highest saving potential, including improvements in the final reserve fuel calculation, contingency fuel, climb speed, and statistical taxi time.

Final Reserve Fuel

Wizz Air implemented some improvements in the Flight Planning System regarding the calculation method for final reserve fuel (figure 6).

FuelPro has the capability to calculate final reserve fuel endurance for each flight, considering the estimated weight at the planned alternate airport. Figure 6 shows on average final reserve fuel endurance over time (on the left) and compliance with remaining savings over time (on the right). It’s clearly visible the reduction in final reserve fuel endurance from around 38 minutes to an average of 32 after the implementation of the initiative. At the same time, we see that

compliance (pink line) goes up and remaining savings (blue line) go down. It’s important to note that the endurance is calculated on actual expected fuel on board at the alternate airport, meaning that unused planned/contingency/extra fuel will be part of the calculated endurance.

Contingency Fuel

With FuelPro, we can easily monitor contingency fuel planned and the applied policy. We introduced 3% contingency fuel policy (instead of 5%) for routes in which there’s not enough data to calculate statistical contingency fuel and certain conditions are met. We also found that around 5kg of fuel savings were achieved after implementation of the initiative. As you can see in figure 7, compliance went up well over the set target of 90% and the saving potential stayed close to zero.

FMS ECON speed was 15 to 20 knots higher than the optimal calculated by the tail specific performance models from StorkJet.

Based on this discovery, we introduced a recommendation to pilots to reduce the FMS ECON climb speed, saving around 5-6 kilograms per climb. The introduction of this policy can be clearly seen in figure 8, where the compliance (pink line) went from around 10% to slightly over 60%. Consequently, an abrupt reduction in the calculated remaining savings was also observed.

Statistical Taxi Time

Another initiative that we’ve been working on since the implementation of FuelPro is statistical taxi time. The FuelPro platform enabled us to see the difference between taxi out fuel planned and actual taxi fuel used (figure 9).

FLYGUIDE PILOT APP

FlyGuide is the EFB app to engage pilots in flying more fuel efficiently. At Wizz Air, we strongly believe that involving pilots is key in the success of the Fuel Efficiency programme. It gives them operational information not available to them before and empowers them to make more informed decisions.

The goal is to not overload the pilots by presenting too much information, but to select only those areas/initiatives, which can bring the highest savings. They get an overall fuel score, calculated as the weighted average of the individual compliance to the selected fuel initiatives. The information is available for the last 12 months, giving them the opportunity to identify any past trends for additional saving opportunities. The overall fuel and CO2 saved for the given period is also displayed, together with the remaining saving potential based on the current compliance.

As figure 9 shows, planned taxi fuel almost doubles (on average) actual taxi fuel burn. The platform provides us with statistical data for each airport and performance type, and we can automatically link this data to our Flight Planning System to be used in the OFP calculation. Through modelling, we can use different confidence intervals and different weights to past data, in order to account for seasonality or sudden changes in the operations. A conservative 95% confidence interval translates to a reduction on planned taxi fuel of around 25%, saving around 4kg of fuel per flight.

In figure 10, we can see a screenshot of the iOS app showing how pilots can explore their own compliance over time, considering the full set of fuel initiatives chosen by Wizz Air.

In contrast, figure 11 shows compliance evolution over time for a specific fuel initiative. In this view, they can also visualise the target set, achieved savings, and their individual trend for the last 12 months.

With these tools, pilots can get a better understanding of the fuel burn impact of operational changes of any initiative. They can be more involved in fuel policy/ operational procedures and increase confidence when providing feedback.

The latest addition to FlyGuide is the Fuel Briefing module, in which pilots can better prepare for any upcoming flight. Based on historical data, pilots can get quick insights on how past flights for the same city pair were performed. Figure 12 shows the tab with some of the most relevant pre-flight information, such as historical overburn distribution, historical trip and taxi fuel difference, historical delay time, and trip distance. The map at the bottom rights display the actual route planned (according to the latest OFP revision) and the actual route taken by past flights. With this information, pilots can more proactively request enroute shortcuts. Similar information is displayed in the departure and arrival tabs: historical routes for the same planned runways are displayed on a map, together with information on most efficient configuration (flaps, single engine taxi, etc.) from the planned departure/arrival runway. Furthermore, taxi-out and taxi-in routes are displayed per departure/arrival runway (with expected taxi times), with guidance on the most optimum point to perform single engine taxi. That’s our story at Wizz Air and I hope it will prove useful for readers.

Aircraft IT: How did NAVBLUE get started?

AF: NAVBLUE was formed from three independent entities, Navtech, Airbus ProSky, and Airbus LUCEM. In 1994, to expand its flight planning market share and to introduce a runway analysis service, Navtech merged with Compuflight, a flight operations service provider based in New York. The business expanded gradually into Europe by acquiring several other companies. Airbus ProSky was launched in January 2011 with its first initiative being ATM modernization for China Air Traffic Management Bureau (ATMB). LUCEM began as an Airbus program pioneering the

Runway Overrun Prevention System (ROPS). In 2016, Airbus acquired Navtech, merging it with Airbus LUCEM and Airbus ProSky to create NAVBLUE. Then in February 2020, NAVBLUE acquired Stockholm based AVIOLINX for their crew management and ops control system and expertise.

AF: Airline flight operations is a dynamic contest between executing a planned schedule, mitigating inevitable disruptions and a constant race against time. There is a continuous hustle and bustle with

multiple persons communicating, executing and reacting to planned and unplanned events autonomously and yet somehow in coordination. Flight Ops software tools are essential to computing an optimized and robust plan, and then maintaining operational-control and situational-awareness during the execution of the plan while also mitigating disruptions. However, the reality is that most of the current flight ops software solutions on the market are at least 10-15 years behind what is technologically possible. At NAVBLUE we want to change that, we believe that Airline Flight Operations deserves a new generation of smarter data-driven solutions designed to empower users and enhance efficiency.

Aircraft IT: What is the guiding business principle that drives NAVBLUE?

AF: At its core, NAVBLUE is about strategic innovation and disruptive transformation of the Flight Operations domain. We strive to be the trusted partner for our customers to support safe and sustainable flight operations. We work with our customers in product definition and design, and work closely with them to identify possible evolutions for the future.

Aircraft IT: What has NAVBLUE’s greatest business achievement been to date, and why?

AF: At the end of last year, NAVBLUE launched Mission+, a next generation pilot’s electronic flight bag (EFB). Mission+ provides pilots with the right information at the right time in the context of the operational scenario they are dealing with. The first two modules of Mission+ cover flight briefing and an aircraft moving map with live weather and charts. Two more modules that cover pilot documentation and aircraft performance will soon follow.

Additionally, next spring NAVBLUE will launch our manage-by-exception HUB that empowers Operations Control Center users with contextual information at-a-glance with manage-by-exception

alerting in a single user-centric interface. These two achievements mark NAVBLUE’s transition away from siloed monolithic products designed to solve only one specific problem towards a seamless usercentric approach.

Our vision is to deliver seamless contextualcollaboration and enhanced situational awareness within a harmonized user-centric Flight Operations Platform. This simply means that, rather than multiple systems that a user has to conform to, this platform is designed around the user, proactively presenting information contextual to their role and contextual to the operational scenario they are dealing with, while also enhancing collaboration across flight ops users onboard and on the ground.

It represents a fundamental shift from siloed products towards a flight ops platform built on service-oriented architecture designed to leverage the advantages of cloud-computing. This also lays the foundation for us to leverage data analytics, using machine learning and other forms of artificial intelligence to make our systems smarter. Our goal is to first deliver smarter alerting, then predictive insights and finally preemptive decision support to users of our systems.

Aircraft IT: What have been your disappointments and what have you learned from them?

AF: This is the sixth year since NAVBLUE was formed. The unfortunate recent pandemic has been disruptive to our ambitions and even now recovery is slow for airlines, airports and the entire flight operations ecosystem. We had hoped to be much farther along in terms of our vision and strategy, and yet we feel we are more resilient and better positioned to deliver our vision.

Aircraft IT: In a sentence, how would you summarize what NAVBLUE does for aircraft operations customers?

AF: By combining agile software development with unique OEM expertise, our passionate and

customer-focused team develops flight operations solutions to support the safe and sustainable growth of our customers and the industry.

Aircraft IT: What do you feel will be the next big thing in operations Aviation IT?

AF: As mentioned earlier, we really believe that leveraging data to enhance the optimization of flight operations is an essential strategic step. But it is not simply about post flight operational data analytics. Yes, we do need to close the data loop, draw on the data to understand our operations better. However, the real value is when we can embed the insights from data models within the workflow of flight operations users, to provide them with smarter digital assistance, to leverage machine learning and other forms of artificial intelligence to predict and even preempt disruptions.

We’re pleased to have the opportunity to share with readers a case study of when Sunclass replaced its complete IT infrastructure, especially in-Flight Operations. Our focus will be more on what the airline can do to facilitate a more dynamic environment where it can work with data and events and automation. Just to put the case study into context, we’ll first tell you something about Sunclass Airlines and how we got started.

SUNCLASS AIRLINES

Sunclass is a small Scandinavian charter airline, dating back to the 1960s that has, through several decades, been involved in several ownerships, the latest as part of the Thomas Cook Group which collapsed in 2019. Today Sunclass is part of the tour operator Nordic Leisure Travel Group with a fleet of 10 aircraft, Airbus A321 and A330s: there are also 700 crew (figure 1).

Our operations cover all of Scandinavia carrying in the region of two million happy Scandinavian sunseekers to the Mediterranean; Greece, Balearics and Turkey during summer season, whereas, in the Winter season, operations change to the Canaries and Egypt as well as long-haul both east and westbound.

THE REASONS BEHIND THE PROJECT

Our legacy was an integrated IT infrastructure for all operational systems across the five airlines in the Thomas Cook group. The collapse therefore forced us to review the existing complex system landscape and remodel a new setup (figure 2) which could support our reality of being an independent airline.

a bullet point list (figure 3), defining the requirements for future architecture considering costs, flexibility and automation possibilities. Selection of which of the existing systems worked and already matched our new operation was evaluated, and we renewed the contracts with Vistair, maintaining our document management system, as well as our long-lasting cooperation with CrewApp which provides our crew with roster-view.

Whatever system we selected it needed to have the potential to automate, and we would rather buy-in to the potential in an application which had a changedriven outlook, than an ‘off the shelf system’ ticking all the boxes. It was an extremely compressed selection process, only two months, to decide on a crew and flight ops management system to sit at the core of our new environment. Our choice was N-OC ops and Crew from NAVBLUE. The integrated system had the potential for event-based automation, a flexible API and integration method. Looking back now, we realize we have actually achieved what we set out for. We re-started our business ensuring that we maintained the airline’s original values.

IMPLEMENTING THE NEW SOLUTION

As mentioned previously, we were extremely pressed for time and had to create a very optimistic project plan. The contract with NAVBLUE was in place in January 2020 and by February 2020 we started the project, with milestones and implementation roll out plan agreed. However, as we all know by March 2020 Covid struck. The question we asked ourselves was, how on earth could we implement a new Flight Ops and Crew system with no flights? This was the overriding challenge we faced; even so, it was only one of the challenges (figure 4).

Given the history of our airline, our crew legality rules are complex, covering four different union agreements. An important factor in our decision when choosing NAVBLUE was how seriously they were engaged with this specific area. Close to 200 legality rules were custom-built by the NAVBLUE team. However, we ourselves seriously underestimated the amount of work, time and resources needed to test the rules once built.

We also underestimated the importance of thorough end user training. Usually, these training sessions are the opportunity to build engagement and a relationship with the vendor. Yet again, another challenge caused by Covid: as Trainers were unable to fly into Copenhagen and end users were furloughed, the training had to be carried out via Microsoft Teams. We recorded the training sessions and re-used them for colleagues as they returned back into the office; however, we underestimated the level of missing engagement caused by remote training. That said, Covid left us no choice, and everything was conducted remotely: we sat in the hangar in Copenhagen, and NAVBLUE in Stockholm and Malmö. It was very odd to be that disconnected.

An additional challenge was that, when it was time to test the system, we didn’t have any rotations due to all aircraft being grounded. Test cases were built to test the setup, and we even built a fake movement generator, just to create some form of activity in the Gantt charts. On top of this the NAVBLUE solution was not the only implementation we worked on to meet the deadline. A further six systems were to be implemented in other parts of our business, with all of them being interdependent and connected.

Our aim had been to complete the implementation by October 2020; we managed it by November, only one month delayed; however, considering the circumstances, that was quite fast. In fact, for the timetable, we were helped by Covid as we would not have been able to implement both the Crew and flight ops systems this quickly with normal operations.

the event-based automation capabilities Sunclass Airlines now has the capability to quickly adapt to new challenges with the new work processes plus, within hours, we can automate processes that would have been unthinkable using the legacy systems.

All our implementation projects have now been completed: one of the last roll outs was the EFB which is now at the final stage for approval. This also acts as an information source back to Operations, to our management systems and to data systems in general. There is a very flexible set up for new automations in N-OC which we have only just started to exploit.

Another great achievement is that we have integrated our training management system. Whenever

they do this straight away on their individual iPad, which is integrated into the training management system, which then in turn, instantly updates the crew management system. This is one of the use cases where, prior to N-OC, we’d had a lot of manual cross inputs — you could see the wear and tear on the carpet between the training and crew rostering departments, as they were constantly walking back and forth updating each other; whereas, these days this data is right at their fingertips.

During Covid we were faced with a new requirement from the health authorities, to provide, within three hours of every landing, a list of crew members on board flights from specific countries. The setup of this

automation took four hours. Whenever an aircraft landed, we used the ACARS as a trigger to send an event message that pulled all the information needed to complete the list and send. This is a small detail, but one of the first fully automated jobs running smoothly saving operations a lot of manual work and the possibility of missing the deadline of the requirement.

We have also built a tracking system for crew undergoing LIFUS (Line Flying Under Supervision) training which created a massive task, as our traffic schedule was extremely disrupted in the startup after Covid; every time training on flights had been planned, the next minute, the whole schedule would be cancelled, and planning had to update the manual tracking sheets again. So, we combined some legality rules and forced the schedulers to flag those flights with special designators which then enabled us to pull out the flights, arrange them, sequence them to have an activity log and then, by the time the flight has landed, it updates the status as completed. Again, this setup is connected to the training management system which is updated accordingly when the line release is completed. The same setup is also undertaken with security and background checks.

LESSONS LEARNED

Disruptive events drive change (figure 6). We would never have pulled this off had it not been for these disruptive events like Covid and the collapse of the previous business, Thomas Cook.

For software vendors facing an increasingly disrupted environment, we implore you to make your systems easy to integrate. Include events in some form and ways of either retrieving data through API or a simple email that can be used for automations in other systems. In short build good core products with flexible integration endpoints.

It was a huge challenge for end-users to keep up with the changes which were implemented while they were furloughed. The changes were on a large scale and comprehensive. We definitely learned that a flexible and integrated setup, requires a new set of competencies as well as oversight and management within the company. As a general point, airlines need to consider these processes, and integrate the automations as well as data sharing works within the company. This is why our focus now, and going forward, is on our end users as it’s a matter of understanding the new processes. If you understand the process within the business, you can also take advantage of the systems and continue developing and growing regardless of changed circumstances.

Peter started out as an aircraft engineer over 20 years ago. After several years working within aircraft maintenance, he transitioned to continued airworthiness management and, since then, has held several management positions in maintenance, continued airworthiness, regulatory oversight, and now within flight operations. He has played a key role in the conception and implementation of a new flight operations IT landscape within Sunclass Airlines.

Hayley has been working in aviation since 2017, but her experience goes back to her early years. Aircraft IT: Your name, your job title, and the name of the business?

Hayley Russell: Hayley Russell, Marketing Manager at Conduce Group Limited.

Aircraft IT: How did Conduce get started?

HR: Conduce entered the Electronic Technical Logbook (ETL) market in 2012, after taking over the Osys contract from Rolls-Royce to support the ground-breaking ETL for MyTravel, which later became Thomas Cook UK. After a few years supporting the Osys product, in around 2014 we created eTechLog8 from scratch. This was because three things happened.

First was the new Windows 8 supported XAML, which enabled us to write code for touch applications on Windows; the second was the release of the Panasonic ToughPad and, finally, the advent of 3G/4G comms, which opened the doors for a touch-tablet based and truly mobile ETL application.

Aircraft IT: What is the guiding business principle that drives Conduce?

HR: Our guiding principle (and one you’ll hear us say all the time!) is KISS — keep it simple stupid. So many ETL projects fail due to scope creep or trying to change too much at once. For instance, we want to make the best ETL in the world and that’s why we don’t do anything else.

Aircraft IT: What has Conduce’s greatest business achievement been to date, and why?

HR: Our greatest business achievement is the creation of an Electronic Tech Log that genuinely helps everyone in the cockpit and on the line to do their jobs. We’ve achieved this through the marriage of our IT and software knowledge and our real-world experience of the line engineering and cockpit environment. Any software company can write an app, but without really understanding the pressures involved in an aircraft turnaround (from 20 minutes

with an ATR to 3 hours with an A380) it’s very easy to create something that looks shiny and great but simply doesn’t work. In addition, we know that an ETL isn’t just an app: it’s mission critical, so it must be a whole package of software processes, operating procedures, essential backup solutions and red-hot support.

Aircraft IT: What have been your disappointments and what have you learned from them?

HR: Our biggest disappointment is that the industry has been so slow to embrace Electronic Logbooks. The benefits are huge, the airline pioneers have proved it can be done and digitization has been the buzzword of the last decade. Yet very few airlines have implemented ETLs to date. At Conduce, we have learnt an awful lot from every single successful ETL project and really honed our approach. We now see the benefit of that experience reflected in the average project time, which is routinely three to six months from contract signature to full paperless approval.

Aircraft IT: In a sentence, how would you summarize what Conduce does for aircraft operations customers?

HR: eTechLog8 provides accurate, real-time aircraft utilization and defect data.

Aircraft IT: What do you feel will be the next big thing in operations Aviation IT?

HR: I think the next big thing will be extracting the full value from the data we’re already collecting,

airline IT systems so we really see the challenges of integrating different generations of technologies and data formats. Once the industry figures out how to merge all that data together and analyze it effectively, then the data becomes infinitely more powerful.

Fuel efficiency is at the top of the agenda for any airline or operator these days. As well as the imperative to work towards net zero by 2050, there is also the perennial imperative to keeps costs as low as possible and, at the moment, with fuel prices as high as they are, that is a real challenge for which a proper and well supported fuel efficiency program will be of enormous value. This article will take readers through our journey to operations and fuel efficiency at Philippine Airlines, plus I’ll tell you about the solution that is at the heart of our success. But first, some information about Philippine Airlines.

PHILIPPINE AIRLINES (PAL)

We are Philippine’s largest international airline and sole full-service carrier, as well as the region’s oldest and longest-serving airline. Our fleet, one of the world’s youngest, consists of the Boeing 777, the Airbus A350 and A330 for long-haul routes, and the A320/A321/A321Neo, and Dash 8-400NG for regional and domestic operations. After a restructuring program in 2021, PAL achieved better than expected financial results in the first half of 2022 and has posted net profits for the past four quarters. Domestic operations are presently at 80 percent of their pre-pandemic levels, while international flights are at 60 percent.

The airline serves a total of 43 domestic (figure 1) and 33 international destinations from three major hubs. Destinations range from South East Asia to the West and East Coasts of North America, the Middle East, Australasia, China and North Asia.

INDUSTRY ANALYSIS, TRENDS AND DRIVERS

The current industry landscape shows that, even while the industry is still recovering from the pandemic, the aviation market is projected to grow at a five percent compound annual growth rate until 2027. At present, the air transport industry will have to adapt to expanding trends in digitalization, data management, and sustainability. These will include planning and developing aviation and tourism infrastructure, as well as establishing effective governance for faster decision-making and process optimization.

In order to counter existing headwinds, PAL has focused on optimizing strategic spending with new tools or systems geared towards generating a return on investment (ROI). This has included operations improvements such as fuel savings initiatives and a fuel efficiency program as well as efficiency programs for improving operations and implementing more automated activities that allow users to do more with less. OpenAirlines’ SkyBreathe® fuel management system checks all of the boxes for these steps.

THE INFORMATION CHALLENGE

To appreciate what PAL has gained from implementing the solution, we need to look briefly at what was the situation before and the data and decision-making challenges faced by the airline (figure 2).

turn out actionable insights for our fuel efficiency goal.

The DRIP problem for airlines is also emblematic for other industries and fields that deal with huge quantities of data. In a world seemingly full of random occurrences, organizations gather data about specific events that must be converted into useful and usable information which, in turn, adds to our core knowledge, allowing us to take decisions that translate to wealth, wisdom or both.

IMPLEMENTING THE SKYBREATHE® PROGRAM

PAL’s partnership with OpenAirlines, through the architecture of the SkyBreathe® fuel information management system, is an example of the fusion of big data and AI driven fuel management software (figure 3.1).

SKYBREATHE® FEATURES

SkyBreathe® integrates the different sources of data, such as FDR and QAR, extracted by Teledyne for Philippine Airlines, the operational flight plan (OFP), airline operations center (AOC) data and AIP weather. It provides quality control, merging and cleansing of this torrent of big data, and computes, using its performance models measures and KPI computation algorithms (figure 3.2).

The analysis is presented into pre-designed and/or customized reports and graphs that are easy to understand and very flexible to use, both for the airline’s analysts and for end users. closely monitor their compliance with fuel savings programs or initiatives but rather to provide them with the right tool they need to assess their own performance and mileage compared to the company average, and, ultimately, with the goal to get a better understanding of what fuel efficiency entails.

Pilots are key players in any fuel efficiency program. SkyBreathe®’s MyFuelCoach® empowers our flight crew with a mobile App and, again in this case, just the iPad that lets see how well they perform, learn how they can improve and

Within the App, they can see a list of details for their own flights, such as flight duration, fuel burn or consumption, the runway used in the case of the departure and, of course, the dates and times of respective flights. It provides an individualized analysis of each of that pilot’s flights, based on their performance. The target best practice and savings with details for each segment. A replay of the flight, using3D trajectory shows the SID STAR (Standard Instrument Departure / Standard Arrival Points) as when flap changes are made. Flight feedback is also encouraged to help PAL’s fuel analyst team make improvements. The pilot can compare their performance against the OFP (Operational Flight Plan) using the plan versus the actual fuel comparisons. On a bigger scale, the same pilot can anonymously benchmark their performance against other pilots within the fleet.

Figure 6.2 shows how SkyBreathe® displays flight information by phases with details such as the average N1 setting, average speeds, the slopes, the stops, the

Again, pilots are also able to access and replay their respective flight trajectories that can showcase profiles in three dimensions along with data points such as flaps deployment or extension, SID / STAR point, segment bound and other information in the pertinent phase (figure 6.3).

The actual savings for an initiative and phase are analyzed and areas of opportunity showcased for each individual pilot. Pilot feedback also allows examination of crowd source operational intelligence and the scrutiny of each category of each fuel saving initiative to help identify the reasons why the best practice was or was not applied.

And the feedback that we have been getting from most of our flight crew regarding the use of MyFuelCoach® is largely positive (figure 6.4).

The App has, in fact, been praised for being innovative and easy to use with the customizable start screen and journals where the company can tailor fit the data for their specific need and their focus. It’s a tool that has helped pilots advance their skills when viewed constructively. More importantly, the tangible results give them a feeling of awareness of their individual contribution to the cause of company conservation, fuel efficiency and our goals towards sustainability.

ACCOMPLISHEMENTS IN THE PAST YEAR

So, given all of the above, what have we so far accomplished at PAL with the use of SkyBreathe® and MyFuelCoach®? After nine months of our six primary initiatives, we have reduced our consumption of fuel by 3.7 million kilograms (figure 7), generating a saving of roughly US$4.1m.

The presence of pilot feedback allows analyzing the crowd - sourced operational intelligence from pilots. For example, it allows analyzing the number of feedback for each category for the SETI best practice and help identifying the top reasons why the best practice is not applied operationally.

We see, from figure 8, that the remaining potential savings for these six initiatives alone will increase saving s by more than 40% or, roughly 3.1 million kilograms. Three of these initiatives (reduced acceleration altitude, single engine taxi-in and pilot extra fuel) were being practiced at Philippine Airlines before SkyBreathe® came along but data gathering was slow and tedious, and translation to useful information even slower.

When SkyBreathe® went live last January (figure 9), it can be seen that the reduced acceleration altitude application rates steadily increased from February to August of this year.

The spike in July to August can be attributed to the peak typhoon season in the Philippines that necessitated an increase in requests for additional fuel during the monsoon season which was expected by the airline. But a steady decline can be noted and is evidenced by the table.

THE VALUE OF INVOLVING ALL STAKEHOLDERS IN FUEL EFFICIENCY

In retrospect, while the presence of a fuel management system such as SkyBreathe® has proven indispensable in our drive towards fuel efficiency and sustainability, an equally important aspect of how we implement and spread this change is through the fuel efficiency culture. While Flight Operations is the obvious area of focus, other stakeholders which deal with fuel must be included in any changes. In PAL’s experience, the first step needed was the creation of a dedicated fuel team that would define or, in our case, redefine our fuel efficiency goals as KPIs (Key Performance Indicators) or KRAs (Key result Areas). This team worked hand-in-hand with OpenAirlines for the setting up of the SkyBreathe® infrastructure and for the redefinition and re-setting of our KPIs and the setting of these parameters by each initiative. We also had to develop a communication and awareness strategy for all the stakeholders and to inform them of the plan, and the tool that was currently available and that we had in place to measure, monitor and share the progress that we are making or that has been made.

and, as we have always stated, no airline can afford not to have an operational and fuel efficiency program in place.

So, where do we think the future for this whole area of fuel efficiency might take us? At PAL, there remain a number of initiatives of which we have yet to take advantage as well as some whose optimization might well give us a forty percent net gain in efficiency. Aside from the obvious technology developments or the availability of new equipment and new technologies that would enable fuel efficiency gains, I think that we have to take advantage of the tools available to us now in optimization of these big AI tools and the gathering and analysis, and maximize the opportunities that we have, in order to go to the next level. Notwithstanding any future technology developments, we have the technology today to maximize the opportunities and that’s how PAL will be doing this in the next few years.

Capy Bernabe joined PAL in 1992 and started flying domestic flights by 1995 with Fokker 50s. He flew the 737 after that and moved on to the B747-400 and 777-300ER before becoming Deputy Chief Pilot of the B747 and Chief Pilot of B777 plus Manager of Flight Standards and Policies in 2021 overseeing flight operation compliance with IOSA certification before being appointed VP-Flight Operations. Günther Schindl lets us into the philosophy of devising solutions with the user’s ease of use in mind that ensures ASQS solutions work so well

Günther Schindl, co-founder and CEO of ASQS, is responsible for the corporate development, sales and customer relations of the ASQS Group. Together with his partners and co-founders Günther Syrowatka (CTO) and Cpt. Wilhelm Kment (Quality Manager) as well as ASQS COO, Eva Lederhilger, he shapes the further development of the group’s corporate strategy. He holds a degree in aviation management and worked for more than a decade as project and quality manager in commercial and business aviation in Austria and Luxembourg.

Aircraft IT: Your name, your job title, and the name of the business?

Günther Schindl: Günther Schindl, co-founder and CEO of the ASQS Group. ASQS stands for Advanced Safety and Quality Solutions.

Aircraft IT: How did ASQS get started?

GS: When safety management systems were to become mandatory for aviation in 2008, I was working as a compliance monitoring manager for an aircraft operator. At that point, my partners and I recognized the need for a web-based platform that would integrate safety and quality management — something that didn’t exist at that time. So, we founded ASQS with the goal of developing an integrated Quality and Safety Management Software (IQSMS) — developed by aviation professionals for aviation professionals. Practical experience in the industry was key. Initially, we focused on the executive

and business aviation market, but the increasing interest of airlines in our software IQSMS encouraged us to expand our offer to the entire aviation industry.

Over the last 13 years, we have grown from a two-man show to a global software provider with more than 290 aviation customers worldwide today.

Aircraft IT: What is the guiding business principle that drives ASQS?

GS: At ASQS, the requirements and needs of our customers always come first. It is easy to develop software with many functionalities, but keeping it intuitive at the same time to ensure high user acceptance is a challenge. For this reason, our developments are always based on the question, which functionalities would significantly alleviate the daily work of our users and how can these functionalities be implemented in the most userfriendly way possible?

Aircraft IT: What has ASQS’s greatest business achievement been to date, and why?

GS: I think the whole story of ASQS is a great entrepreneurial achievement. We started very small, with only a few thousand euros in our bank account, a vision and a vague idea of how to realize that vision. What we had from day one was a passion for our product, IQSMS, and a will to work hard to make

Aircraft IT: What have been your disappointments and what have you learned from them?

GS: Fortunately, we have not experienced any major disappointments so far. One real setback was that we were unable to open an ASQS office in Mexico City as planned due to the pandemic. Although all preparations had been completed, it was not

had the chance to open our third ASQS office in Calgary, Canada. What we learned from this particular setback was to include a pandemic in your risk assessment and always have a Plan B.

Aircraft IT: In a sentence, how would you summarize what ASQS does for aircraft operations customers?

GS: With the IQSMS Suite, we offer an intuitive, integrated, and modular software solution for quality, safety, and risk management in the aviation industry.

Aircraft IT: What do you feel will be the next big thing in operations Aviation IT?

GS: I think in our sector it will be artificial intelligence. The goal of future software will be to support users more effectively by allowing them to focus mainly on and invest available resources in situations that pose a high risk to the organizations. Ideally, everything else will be handled by a software. I think that will also be the next big challenge for us at ASQS.

Aircraft IT: What do you want your customers to say about ASQS?

GS: That ASQS is a strong and reliable partner that always tries to find the best solution for its customers by listening to their needs and requirements. A partner that not only sells great software, but also provides an exceptional user experience and customer support.

Björn Guðmundsson, Safety Icelandair and Florian Lis-Srajer, Project Manager, ASQS GmbH share Icelandair’s implementation of a new quality and safety management solution

Founded in 1937, Icelandair is the Icelandic flag carrier with its main hub at Keflavik Airport, Reykjavík. The 43 strong fleet includes Boeing 757, 767 and 737 types with Bombardier Q-200 and Q-400 aircraft for regional operations. Having been a member of the Flight Safety Foundation since the early 1960s, the first safety management system was introduced to the airline in 2010. Icelandair operates all year round from Iceland, offering flights between Europe and America with stopovers in Iceland. The airline has a rich history with regard to safety being part of organizations such as IATA, European Regional Airlines and Airlines for Europe which all have a mission to bolster safety. Icelandair has an IOSA Certification with an IOSA audit every two years from which they get an accreditation for the airline’s safety management processes and systems, and how they work. It’s something of which Icelandair is proud and which gives the opportunity to learn from others if there are ways to improve on some aspects of safety. Icelandair has two AOCs for the regional and international operations as well as the domestic business. The airline has undertaken some ACMI work around the world.

WHY A NEW QUALITY AND SAFETY MANAGEMENT SOLUTION WAS NEEDED

Within Icelandair, there is an integrated safety management system overseen by a unified Safety and Compliance department. The initial problem was that the airline was using two different types of software, an audit application and a safety management system (SMS) but from two different providers and they, in essence, divided the processes even though everything that Icelandair writes and does is unified. At the end of 2019, the airline started to look for replacements with the aim of getting a fully integrated safety management system software with which they could work on the reporting culture, risk management, quality and compliance

monitoring all in one place, as well as bridging a gap for the future to use Icelandair’s flight data monitoring system and transferring them into this management system, in order to be managing risks and information in one place.

SELECTION AND IMPLEMENTATION

Icelandair started looking around to see what there was available and there was some fantastic feedback from some of the airline’s auditors regarding IQSMS from ASQS and how the software works and

integrates with the organization. A private demo was arranged to gauge the scope and the specs and what was being offered and, at the end of that, the Icelandair team decided to partner with ASQS.

Software suppliers are all different but, as Icelandair is not a large airline if compared with, say, Lufthansa, it was felt that to go for a very big software provider with a huge solution would mean that the airline would have little chance to have any say over the development of the software: they were trying to find a bridge between a small and a large business,

somewhere in the middle where the airline might also be able to have some say regarding the future development of the software. ASQS offer, in this case and with other airlines and users, opportunities to discuss and to influence in part the development of the IQSMS software. It was a big part of Icelandair’s selection priorities is that they should actually have a say in the solution.

Icelandair took account of different aspects of the solutions available including cost of hosting and, very importantly, customer service. Especially with maintaining a strong safety culture, there needs to be a customer service that will respond promptly if there are any problems with reporting or any risk assessment management issues going on. Also important was the community feedback. Icelandair talked to a lot to colleagues in other Northern

European airlines who use ASQS solutions and there was positive feedback which helped with making the decision. All that said, it took Icelandair a year to go through the whole selection process and make a decision. But they’re glad, now, to have the system in place.

When the contracts had been signed, ASQS allocated a project manager, Florian, to the job and both parties agree that the work was conducted in a very positive atmosphere starting with the kick-off. The kick-off is where ASQS finds out about the needs and requests from the customer’s side; the scope of the implementation, the customer’s priorities, the timeframes when to implement and go-live with the different modules. Typically, that phase uses the waterfall method starting with the configuration phase where ASQS provides the customer with the

documentation for IQSMS in order to let them become familiar with the system. Next, the workflows for IQSMS are discussed so that the customer understands and so that ASQS understands the customer’s processes in order to try their best to integrate the new processes with processes already used in the customer’s organization. Then the whole set-up of the system is done and, in the Icelandair case, ASQS decided to launch the Quality Management Module, which is used for auditing and compliance, a little bit early which turned out to be a very good idea because ASQS was able to get some experience of the key users who were using the system and adjust the processes, make sure that the users were happy with the system.

That done, the next step was to implement the Reporting Module which is used across the entire organization so that more users will be using the system in the future. But the experience with the earlier launch of the Quality Management Module had ensured that the new system would work in the airline’s processes. There was then a kick-off workshop which was a great idea because, when the project was started back in early 2021, with Covid it was not easy to travel so ASQS couldn’t undertake on-site training for the first modules. That’s why the decision was taken, having implemented one of the core modules, that there would be a workshop on site in Iceland where the two sides could discuss the Reporting Module and a quick Q&A session for users of the Quality Management Module. ASQS was able to present the system to users at Icelandair, open up discussion about the functionalities and, most important, to be able to meet and get to know each other in person.

After the configuration phase came the training which was also conducted remotely because of Covid travel restrictions; it was easier to carry out training online. Next, the launch was started which was a soft launch with a soft transition in order to get everyone on board and, since then, the Reporting Module and the whole SMS part of IQSMS has become active.

THE IQSMS SOLUTION

IQSMS is a modular, web-based system for integrated safety, quality and risk management based in and on compliance with national and international regulations. Due to the modular design of the software, it is up to each customer organization to decide which modules should be part of their individual IQSMS suite. For example, the Safety Reporting Module, which is one of the core modules with the Risk Management and Quality Modules; the Reporting Module is used, in an organization, supporting the reporting process with reporting into the webpage or via the mobile application. Of course, it’s not only about reports, the users also have to do something about those reports, investigate what happened, take corrective actions or do a root cause analysis and then the team starts working with the report. At the end of the report/action cycle, it very important that there should be feedback and a conclusion for the person who originally raised the report.

With the IQSMS Quality Module, ASQS supports the audit and compliance processes in an organization; for example, all airlines are obliged to comply with national and international regulations and, with the Quality Management Module, they can set up audits in their organization for compliance or inspections, to run through the audit process. With that, there is also the possibility to handle any findings with investigation and corrective action.

The Risk Management Module is in three parts: the predictive part, the proactive and the reactive parts. For

example, there is the facility to set up a change management project in order to analyze possible events or risks in case of some changes in an organization. The module includes a risk register, a hazard log where identified risks can be documented along with relevant controls, consequences, etc. All of this can also be connected with the Reporting Module.

In addition to those three core modules, there are expansion modules available such as the FDM (Flight Data Monitoring) Risk Module which links events from the FDM to be imported into IQSMS.

IQSMS is a well-proven web-based software suite for integrated and intuitive safety, quality and risk management based on and in compliance with ICAO, EASA, FAA, TC, and IOSA requirements used by over 200 operators worldwide.

CHALLENGES

There were some delays, not because the implementation process wasn’t clear — there was a great plan with target dates for each phase — but Icelandair, like any airline at the time, was coming out of a sort of hibernation. They were getting aircraft out of storage and bringing them back up to service standard which all meant that resources were at a premium in the period leading up to the implementation process. Microsoft Teams has helped and has become a staple for meetings. Remote working was the biggest Covid related challenge as far as training was concerned. Of course, training can be managed online but it’s not the same as face-to-face because when training is on site there are opportunities for live interactions during the breaks and after the sessions. That was why the in-person workshop (see above) was organized. The implementation schedule took account of potential Covid related delays and so the target dates were able to be met.

Other than Covid, challenges included the usual suspects like data migration for which we had to think outside the box because the legacy system had a different structure and methodology from that in IQSMS.

TRAINING

IQSMS includes a built-in training module. Icelandair did initial training, web-based training on Teams for management teams and then, for reporters, followed

those with on-site training for key stakeholders with ASQS people going to Iceland to go through the processes which really helped because a lot of the people who had been on the initial meetings on Teams where, when the meeting is large, not many questions get asked, now had the chance to really engage with the people from ASQS. Then, there was training with all the crew personnel as well as in-house teams. Icelandair feels that the in-built training module in the system helps where, for instance, an individual might have done their training a while ago and wants to refresh their understanding, they can just log in and do that training on their own. It’s a big plus point for the system.

USING THE NEW SOLUTION

As with any new system, there was a certain amount of having to get used to it and there were a few cases rather like, when you go into a new house and put the milk on the wrong shelf in the fridge. As people were used to a different reporting process, it was a bit of a change and took some getting used to but there has been great feedback. Of course, when things go smoothly, people don’t comment: they only say something when things don’t work out. There were some frustrations expressed but then slowly but surely, the pilots and cabin crew, the maintenance technicians and ground operations personnel began to really get the hang of the new system.

The difference between the two processes was that Icelandair used to have a very simple system with

reporters just having a text box to write in and little classification of events; whereas now they get the opportunity to help with the incident, the reporter is often best qualified to judge what has happened, how it should be classified — ‘bird strike?’ ‘hard landing?’ ‘unruly passenger?’ or whatever. The reporters are able to classify an incident using very short steps and that can help with statistics to monitor trends and so forth. IQSMS represents a different approach which is why ASQS accompanies the customer running up to and beyond implementation, in order to be able to answer questions, help with bedding in and, as importantly, learn for themselves. That was a big change for reporters and there were some protests at the beginning but feedback is now increasingly positive.

From Icelandair’s point of view, the regulators were very happy. The IQSMS solution offers an opportunity to simplify the process of reporting to the aviation authority. There is a mandatory occurrence reporting scheme that requires particular information and, with this new solution, the reporter and the safety officer investigating an incident cannot send the data to the authority until they have completed the mandatory fields, which avoids frustration all-around.

process made it much easier to make the transition. They were also supported with weekly updates on the status of the implementation and progress. Of course, one can never account for the unplanned or human factors such as sickness, IT issues that arise across the business but overall, Icelandair was very happy with the implementation.

The problem for any IT program and process is to have all systems talking and acting together. Safety management systems are now mandatory within Europe covering from maintenance to flight: however, those systems are sometimes different. So having an integrated IT and safety management system as well as a solution that offers the possibility to let several disciplines within the airline work together is key to everything. Icelandair has also found the IQSMS App invaluable. Pilots and Cabin Crew find reporting easier with a user-friendly app that is accessible wherever they are. The app is easy to use and intuitive; a real benefit. In this respect, both parties gained with ASQS learning from the experience of Icelandair crews. It was interesting how, although many processes are the same from airline to airline, ASQS was able to add to its own store of experience.

For Icelandair, the cooperative and collaborative nature of the project gave the confidence that they

could influence the project and make it their own with a flexible solution that can adapt to the needs of user organizations. That extends beyond the implementation to the user conferences inviting users to make their own suggestions for changes. That interchange of ideas will be good for the future.

This implementation is still in its first year but the feedback from end-users is good, management finds it good to work with and it helps with overview from the nominated post holders and management since the solution is integrated with compliance, and safety and risk, together with a dashboard which is really valued making it easy to see in a couple, of minutes what is the compliance situation, what issues need to be resolved, what risk assessments are outstanding, etc. Safety and quality levels at Icelandair as well as the culture around them have been improved by the adoption and implementation of this new solution.

Pawel Kruk, CEO, Leon Software shares the story behind Leon Software, the business, the solution, its success and a look to the future

In the ‘How Technology Works’ articles, Aircraft IT gets a close-up look at a prominent Aviation software developer and vendor. In this issue, Pawel Kruk tells us about Leon Software, the business that he founded and still leads, and about the development of the software solution to its currently successful place in the market.

LEON SOFTWARE

Leon Software was founded in 2007 and is focused on cloud-based flight management software or scheduling software delivering a system for business aviation and scheduled operators, cargo and commercial, and also for trip support companies. To go back to the start, I used to be a dispatcher and a commercial pilot, and was involved in the flight preparation process for which there were no sophisticated tools, well, no tools at all, it was all done on paper. I was involved with IT as a hobby and so we initially created a small IT-based tool just to make our own lives easier but with no thought to create a business from that. Then we realized that the market was hungry for this kind of solution and so we decided to further develop it and offer it on the market; it was a happy accident.

I continued with the software while still being a pilot but, in 2014, the IT business became too big and too busy, so I had to decide between continuing with the software as a full-time business or being a pilot, I decided quit the pilot job and turned all of my efforts and energy to building the company and its solution.

WHY DEVELOP A SOFTWARE SOLUTION?

Because the initial development of the tool had been for our own use, we didn’t take into consideration any sort of market requirements; we were thinking solely about our own concerns. We didn’t want to use paper because you cannot replicate, archive or do any sophisticated processes with paper, and we wanted something a little more sophisticated than an Excel Spreadsheet but not too sophisticated because the requirement from the market in those early days was not so much as it is today. We decided to make our solution Cloud based from the outset, which made it the only FMS (Flight management System) solution in Europe that was deployed in the Cloud in 2007. In the early days, when we were

offering our solution to customers, they wanted the software to be hosted on their own computers. We refused to do that because we believed that, eventually, Cloud-based hosting would be more popular. With the likes of Google launching Docs on line, we realized that our software could be accessed online. My previous experience as a dispatcher and as a pilot helped with the software development at the beginning because, while theory is one thing, practice is different, and when you know how things are done from the perspective of the person whose job it is, that makes it easier to reflect the workflows and philosophy of the process within the software. Of course, later on we have hired more people who had not necessarily been previously involved with aviation but, at the beginning, that aviation experience was crucial to developing an MVP (Minimum Viable Product) which could be quickly delivered and covers the customers’ essential requirements.

LEON SOFTWARE’S USPs

We’ve been able to perfect our solution more than others in the market because we started first, so we had more time for development and, as a consequence, we have more features. Of course, we are not completely different from our competitors but Leon software certainly has more functionality around different areas of the application. We started with the Ops module which is now very advanced; our Flight Time Limitation Engine.

Leon Software flight operations software products include modules for the various departments that make up airline operations, particularly Ops (figure 1), Sales (figure 2) and Crew (figure 3).

For Ops, the solution’s flight operations software, enables users to be aware of every aspect of the flight preparation and to be sure that dispatchers work flawlessly. With Leon, dispatchers don’t need to inform crew about every change nor to track permissions’ numbers on a white board. It is all catered for within the solution.

REGULATION

In Europe, regulation is a complex area with a lot of different regulators in different countries. EASA should be the common denominator but, in practice, every state has its own regulations or different interpretations of regulatory requirements. Our FTL engine is known on the market to be very reliable and efficient, and we believe that we are better than others in delivering this key software component. Also, we offer a lot of tools for our customers so that they can customize their own experience. Normally, when you want to, say, have a custom document layout (FMS is about producing different documents, reports and things like that) you need to go to your software provider’s customer support and say that you want to have a particular report or document layout, which they will deliver to you, usually for an extra cost. Leon Software invested the time to deliver tools so that users, with a little knowledge of html and scripting language, can manage things like different layouts for themselves: the application is highly customizable.

Because we’ve been on the market for fifteen years, we have realized that there is a need to think about security. At the beginning that was less important when there were only a few customers but as we grew, security became more important and we strive to be ahead of the pack with regard to security measures we apply to the software. Also, we are consistently applying efforts to that. Of course, all providers in this market are thinking about security. We’re talking here about IT security and we have a business within the organization which conducts penetration tests on the software to search for weaknesses, flaws and leaks because there is no such thing as super-secure software, all you can do is to manage the level of security because, the higher the level of security, the higher the cost of security maintenance. Also, the security process needs to be in the company as a routine. For example, we have certificates, ISO 27001 and ISO 9001, and put a lot of effort into fulfilling those requirements and to have the procedures in place in the company. There are the processes in Leon Software to ensure and manage security with a Quality department, a Compliance Officer, the penetration tests already mentioned, and two-factor authentication.

When we started to sell internationally, the first market we tackled was the UK and, in that market, we were approached by a potential customer who simply wanted to buy the software: no selection process, no trial period; it was odd. So, we contacted them and asked how they had learned about Leon Software. They told us that they had been behind with some reporting when the CAA had visited them and were struggling to put things in a way that the regulator could accept their reports. The CAA told them to ‘just take Leon’. We’d had no communication with the CAA so we were really happy that they had seen our software being used in an auditing context in Europe and had been sufficiently impressed to recommend us. So, we have no problems with regulators.

Sometimes our customer might be facing an audit and there will be some findings which he can communicate to us if we need to correct something. That’s happens because, for example, when there is a regulation which is, theoretically, unified at a European level, there will be different interpretations of that same regulation and, although it might be the same regulation, in each country there will be different expectations as to how it is done. We have implemented in the software those small details of difference which we have learned from trial and error, auditing results among our customers.

ACHIEVEMENTS IN THE PAST YEAR

Our biggest achievement in the past year has been implementing Leon for large operators in Europe, particularly, Global Jet Concept and Avcon Jet Group. From that, we are now onboarding other big companies. To give a perspective, when we started in 2007, we were mainly selling to small operators up to about ten aircraft but we have continued to grow from there and, in 2021, we successfully deployed Leon for large operators.

We are now able to service all types and sizes of business aviation customers from very small to very large ones where the organizational requirements are completely different. Large organizations have different departments doing different things; the workflow is different. For small organizations, typically, one person will be responsible for doing a lot of things. Software needs to be organized

and divided into different areas for larger customers and it needs to look a little bit different than for smaller customers. We have managed to tailor Leon software so that it can be easily deployed not to overwhelm smaller businesses but also it can be deployed for large customers. This has been a major achievement. We were prepared for that and extended our customer base into the larger operator market. This also means that, as a business grows, Leon can scale the solution they are using accordingly.

What is also important is that we are a profitable business. That is a key consideration for potential customers that Leon Software is making money and is financially stable.

TRAINING PROGRAM

Leon offers training but at no extra charge: the pricing model has no installation fee and no fees for training. It means that we take a risk that, if a customer doesn’t like the software, we will have invested a lot and will make nothing. We have a trial period of one month and a user can leave after one month without any obligation but during that trial period we do the training and the set-up, and it’s all free. That said, our conversion ratio is pretty high. The free trial costs us nothing but time and is a genuine USP (Unique Selling Point), distinguishing Leon Software from our competitors. The training itself is online which, especially post-Covid, is more acceptable, with a number of online training events rather than one lengthy training event on-site. We do find that a site visit after the training can help people with using the application and to deal with any questions and issues that might arise. Also, any further training needed after implementation is included in the subscription fee. That means that, if any employee of a customer feels they need some training, they don’t need to seek permission from their line manager as there’s no additional cost involved.

THINGS TO CHANGE

Generally speaking, ours has been a journey of trial and error and, with the benefit of hindsight, we know what we could do better by avoiding some of the mistakes that we made — the errors in trial and error. Generally speaking, our business was built and grown on its own profits — no loans or outside investments. Looking back, I think that, at the beginning, we could have been

more aggressive in areas like hiring more people. We were careful about launching our idea on to the market and were, perhaps, a little risk averse. On reflection we were in a very good position and at the right time but we were unaware of that. So, if I were to do it again, I’d definitely go faster but, of course, that’s easier to say now, after the events.

FUTURE PLANS

There are lots of plans but our first priority is to secure our strong position in the European market as much as possible. So, while we might not add many new features to the software — we are pretty advanced with things like automation already — we do want to improve the overall user experience, to make the software feel more intuitive because that is a challenge when you are building a lot of features, it can get clunky and a little complicated for new users. We want to deliver a powerful tool but with a straightforward user interface that is robust and looks nice: in brief, we want to invest in the product. Also, we are preparing to sell more to the commercial airline market where, while they are not currently embracing the Cloud, we believe they will in time and will appreciate the benefit of modern software to replace their legacy solutions often dating from the eighties or nineties: we would like to be part of that change. Perpetual improvement of the product and its market reach is our real future plan with a strategic focus on the European market.
