To get any value from a book, you need to be able to find it, to read it, to understand the plot and process all of that into the story. It’s the same with any information. There is little point in information that you can’t easily find to turn into understanding to better inform future decisions and actions. Today, airlines have access to vast volumes of data and information relevant to flying safely and efficiently; but if they are unable to organize, read or process that data or information, it is of no use. Fortunately, the developers of aviation IT solutions have done something about that with solutions that will turn raw data into easily located valuable information in understandable formats to support better informed decisions and more effective and efficient actions.
This issue includes case studies, from start-up MYAirline and from established operator Frontier Airlines, on how they implemented new digital document management solutions from creation and distribution to the right people to records storage for regulatory and audit purposes, including manuals management. But, of course, some information needs to be in an easy-to-use format right away because the nearer to real time it is, the more useful it is. That’s
certainly true for weather information and we have a great ‘How Technology Works’ article from Tomorrow. io covering the latest developments in weather data as a resource. Another case study, from cargo airline, AeroLogic, looks at their implementation of a new live weather plus in-flight fuel efficiency solution to ensure that their fleet of Boeing 777 freighters are always operating at peak available efficiency. And we have a case study from another freight carrier, Kalitta Charters II, whose varied loads, from oil installation parts to racehorses, posed a very interesting challenge to their Weight & Balance calculations. Read how their newly implemented W&B solution faced and overcame those challenges.

International Flight Support and Information Design One announce a
partnership to deliver a revolutionary and fully integrated digital fueling experience to the aviation industry
International Flight Support (IFS), a leading provider of SaaS electronic flight bag solutions for worldwide airlines, and Information Design, the operator of aFuel, the world’s largest digital fueling network, announced at the end of January 2023 that an initial integration is completed and there is a mutual agreement for future expansion in the near future. As a result of this integration, the EFBOne application of IFS will offer direct access to the aFuel network, allowing airlines to run a fully digitalized fueling process from start to finish.
This integration between the two systems turns the manual, timeconsuming, and non-uniform fueling process into a digital one that is fully embedded in the preflight briefing routine of the pilot using EFBOne. By utilizing the power of aFuel and its ever-growing network of connected airports, airlines can run the same streamlined digital fueling process across most stations.
The benefits of such a fully embedded digital fueling process are manifold, including cost optimization, data quality enhancements, and carbon footprint improvements — all three of them should be on the radar of every airline worldwide. The

N-Flight Planning improves accuracy and efficiency

collaboration with EUROCONTROL Network Manager
In mid-December 2022 it was announced that, with the support of the EUROCONTROL Network Manager, NAVBLUE’s N-Flight Planning (N-FP) has integrated new EUROCONTROL B2B services, providing a step-change in optimizing European routes for efficiency and compliance while also decreasing dispatcher workload using automation.
Whereas previous versions of N-FP used EUROCONTROL services to query routes and for flight plan validation, they weren’t fully integrated into the workflow and optimization process. Through discussions and collaboration with EUROCONTROL,
NAVBLUE has integrated a suite of new services which enhance user’s situational awareness, simplify flight planning by leveraging automation, and reduce costs and CO2 emissions through optimal routing.
The new functionalities contribute to NAVBLUE’s vision of true manageby-exception workflow:
• The initial planning and filing can be fully automated, using NAVBLUE’s optimization engine to work in the background to search for the most optimized, compliant route available;
• When disruptions occur in the network and the dispatcher needs to find alternative solutions, the new

Optimisation of ground operations during the turnaround through improved on-time tools NetLine/HubControl Turnaround
Manager (TAM) provides necessary tools to manage ground operations between each flight. TAM bridges the gap between airport resources and airline turnaround operations, providing
enhanced on-time performance recovery tools with realistic ground times and delay management. To ensure accurate ground times, TAM enables the customisation of a turnaround task list for operations, communication between OCC and ramp agents is facilitated through an embedded chat platform via TAM. Wheels Up Selects Comply365 for operational document and compliance management
In mid-February 2023, Aviation software leader Comply365 was pleased to announce its newest implemented customer, Wheels Up Experience Inc., who is relying on Comply365’s cloud-based document and compliance management system and electronic forms to transform their digital operations. Employees across nearly every department are using Comply365’s mobile platform to view and personalize their latest operational documents, record compliance and send information back to the operation.
Wheels Up is one of the largest private aviation companies in the world — with the membershipbased, on-demand charter business headquartered in New York City. In 2021, Wheels Up became the first private aviation company to be traded on the NYSE, and last year, it expanded its global reach
when it acquired the UK-based global aviation services group Air Partner PLC.

Wheels Up reported its active members grew by 12 percent year-over-year, and it increased its revenue by 39 percent year-over-year, according to

Within the app, they can search across all their manuals at once, use tags to filter documents, and add personal annotations, bookmarks, and highlights that will be retained whenever a document is updated.

Frontier Airlines selects CAE for next-generation flight operations software
In late February 2023, CAE announced that it has signed a ten-year agreement to equip Frontier Airlines with CAE’s next generation of flight operations solutions. With implementation scheduled to begin later this year, CAE’s cloud-based Operations Control, Crew Management and Flight Management solutions will support Frontier with the latest and most feature-rich operations software available today.

Decarbonizing Aviation Mission Possible: a new book tackling aviation’s greatest challenge
In late February 2023, OpenAirlines and the GreenPilot movement published “Decarbonizing Aviation Mission Possible,” a must-read book for all industry professionals and air travel enthusiasts interested in learning more about the challenges and solutions to decarbonize the aviation sector. Reducing the carbon impact of aviation is at the heart of OpenAirlines’ mission. Every day, they put their hearts into helping airlines to reduce fuel consumption with the ecoflying solution SkyBreathe® adopted by 56 airlines today. Last year, OpenAirlines helped customers prevent 1,026,000 tons of CO2 from going into the atmosphere and save 325,600 tons of fuel thanks to digital technology.

In late February 2023, Information Design One announced significant progress in the development of aFuel, the world’s largest digital fueling network, over the past months
The Information Design One team has worked tirelessly over the last months to improve aFuel and expand the network of connected airports. They were pleased to report that they have made significant strides in both areas.
Some of the key highlights of progress include:
#1 — CNAF joining aFuel network: Information Design One successfully completed the integration of China’s national into-plane agent, enabling full aFuel coverage at all international airports in China. Both CNAF and ID1 are happy about the finalization and are looking forward to a great cooperation in the future.
#2 — eSignature roll-out: aFuel now fully supports an eSignature process that aligns with the eIDAS legislation defined by the European Union. With the qualified eSignature on every digital fuel slip aFuel is able to replace the traditional paper in all business areas.
3# — aFuel Cockpit: In January 2023, Information Design One started with the development of their new aFuel Cockpit application. The app is designed to make a digital fueling process as accessible for worldwide airlines as possible. The app will be available by the end of Q2 2023. Low situational awareness burns millions in profits
eTechLog8 fully approved in Kuwait with Jazeera Airways
Towards the end of December 2022, Conduce and Jazeera Airways were pleased to announce that on 15 December 2022 Jazeera Airways received full approval from the Kuwait Directorate General of Civil Aviation (DCGA) to use eTechLog8 as the primary Tech Log system and remove the paper-based processes.

Jazeera Airways is the first airline in Kuwait to fully implement an electronic technical logbook (ELB) solution and has achieved the milestone in record time, just eight months from contract agreement to full Technical Log paperless operations. This is particularly impressive considering Jazeera’s busy fleet of 19 aircraft. In addition to the ELB project, multiple new routes have been added, and Jazeera has taken delivery of two new A320 Neo aircraft, which used eTechLog8 in parallel with the paper from their very first flight.
The first paperless flight was operated by 9K-CAK on Monday 19th December, from Kuwait to Istanbul on Flight J9301.

Air Canada and CAE name eight recipients of the 2023 Captain Judy Cameron Scholarship for Aspiring Women in Aviation
On International Women’s Day, March 8 2023, Air Canada and CAE announced the recipients of the 2023 Captain Judy Cameron Scholarship, which provides financial assistance to Canadian women studying to become commercial pilots or aircraft maintenance engineers. This year, the two Montreal-based global aviation companies have joined forces to double the number of recipients, awarding scholarships to eight young women from across Canada. In addition to the $5,000 scholarship, CAE’s four recipients will become CAE Women in Flight — Air Canada Ambassadors and help inspire more women to become commercial pilots.

When we speak about new technologies, I’m reminded that the common tools we use today are rooted and born from a deep understanding of the subjects in which they apply. Thinking back to my first days as a pilot for Frontier Airlines, I clearly remember our first class in ground school, a meteorology course taught by retired Air Force Meteorologist, Dr. Fogg. Dr Fogg (his real name) had a particular passion for understanding weather, and an excellent slideshow that brought to life his journal notes. He taught us not only the technical details of weather systems, but also showed us how it applied to us as pilots.
In his lectures, Dr. Fogg taught us what the first tendrils of crystal-wisp clouds approaching from the West would mean to our upcoming flight, and the best way to penetrate through the standing wave cloud perched high over the Continental Divide. He challenged us on a seemingly glorious forecast, asking if we had enough fuel to sit in a holding pattern approaching LaGuardia. In Salt Lake City, he pointed out how a VFR forecast in the middle of winter could easily turn into a blinding IFR final approach. In Spokane he highlighted a METAR for heavy smoke, describing what this would feel like as the sun turned blood-red and the smell of burning pine filled the cabin on descent. His deep understanding of meteorology gave meaning to the important stories hidden within our dispatch release despite its clunky old single space 1950’s teletype format. Ultimately, Dr Fogg showed us how to take a seemingly simple string of words
and dissect it, giving relevance to the real-world phenomena that would affect our flights. His class taught me to look at data differently and inspired me to read each simple release with more detail to find the story hidden within.
Decades have passed since that class and, as new technologies have emerged, information availability has increased. With that, the importance of filtering relevant data for its practical application in an operation has become the focus of my interests as an Airline Technologist. The ability of a product to help pilots find, understand, and use that relevant data is something that I have always strived to implement and expect this capability from the tools at my disposal as a pilot. While we rarely have the opportunity for lecture-type courses like Dr. Fogg’s, we do have products that accomplish much of the same: bringing data to life and helping pilots collate relevant data available to improve safety, save fuel, and improve operational reliability.

Frontier Airlines, utilizing technology to optimize flights

To truly honor our commitment to sustainability and to drive additional operational efficiencies, we needed to find an alternative to our old paper-based Dispatch Release System. on both paper costs and fuel consumption. Our estimates conclude that Electronic Dispatch Releases save more than $600,000 a year on paper and ink alone and remove 10 million printed pieces of paper yearly from our operation. Fuel consumption considerations had been the driving factor for approval of the initial EFB hardware program years ago, and this digital transformation will save more than 9,000 gallons of fuel per year. Keep in mind, too, that a dispatch release is printed off and thrown away at the conclusion of each flight, and if there is an amendment to the release or changes in weather, a new version would have to be printed or sent via ACARS messaging. Transitioning to Electronic Dispatch Releases became the primary focus of Flight Operations EFB development.
Another challenge we faced was a rather antiquated approach to oceanic fuel scoring. Fuel scoring and tracking was a paper-based procedure for every oceanic waypoint such as those encountered simply flying across the Gulf of Mexico. Each waypoint was circled, the latitude/longitude validated, a line drawn through and the time/fuel written over it (commonly referred to as ‘circle and tick’ procedures). On arrival at the destination, this piece of paper was then deposited into a box for auditing. Modification of this process presented yet another opportunity to improve our efficiency though digitization. Having identified significant opportunities in an all-digital platform, one clear challenge remained: integration with our classic Dispatch Release System. On investigating the possibilities, we found that there were very few .xml tags in the data feed. We would therefore have to work alongside our EFB partners to find a solution to interpret all the different data types coming from our legacy systems. The results of this work are outlined below.
AN EFF THAT MEETS OUR EXPECTATIONS
To ensure that our program was able to achieve its full potential we established and validated our list of requirements. Thankfully, and a key factor for the speed of implementation, our requirements were very simple:
• Automated digital delivery of the OFP (Operational Flight Plan) without pilots having to pull it down from a repository.
• A means of recording the captain’s signature on the OFP as well as two signatures from the Captain and First Officer for ‘Fit for Duty’.
• PDF back-up of the OFP.
• Customizable post-flight report.
• Dispatch retraction of the OFP in case something changed.
• And finally, the opportunity to deep link to other applications to improve operational efficiency and workflow.
The result was a very detailed RFP process which ended with us choosing AvioBook. Throughout 2020 and COVID, we had time to work on this project. Within a few months we were able to implement the first phase of AvioBook.

IMPLEMENTATION PHASE 1 — PREPARATION IS KEY
The initial AvioBook implementation process was relatively straight forward. The most important information relating to dispatch releases was replicated, key elements identified, and that data stripped out and put into the AvioBook Flight application for introduction to our crews.
To begin with, and during the transition to paperless, we kept the paper version of the dispatch release in place to allow crews to become comfortable with the speed and reliability of the new AvioBook solution. Additionally, we tried to keep the process as simple as possible for easy adoption by our flight crews. We adopted a ‘keep it simple’ process to maintain similarity to the current paper process. By this, we hoped that Frontier’s crews would feel at ease with the new digital tool from AvioBook. However, we didn’t sacrifice convenience for familiarity and ensured relevant deep linking to some applications or URLs. These included:
• Aeronautical Charting;
• Document Manuals;
• eQRH.
Flexible Implementation and Focusing on the Pilot Experience
We had challenges to overcome in our rollout as pilots adopted these new processes. From document management and signature capture, to oceanic procedures and more, we allowed for a flexible approach to implementation, focusing on usability to improve our pilot user experience. A flexible approach to our AvioBook integration meant we were able to add or import a range of different elements for validation by flight crews. This data included schedule import and on-time performance display. This was all part of enabling more efficient preparations and planning. Moreover, with smart EFB solutions we have been able to streamline flight preparation including pilot awareness of procedural or operational changes. We had recently implemented Vistair DocuNet™ as our Document Management System (DMS) and wanted to ensure this product was easy to access from AvioBook. One of the challenges with a large DMS is that there are approximately 750 pushed documents available to our pilots at any one time. This is a huge number of documents with varying levels of importance. Many of the 750 are memos, bulletins, or updates to include leadership communications. However, with our ‘keep it simple’ philosophy we wanted to find a way to streamline flight preparation. As a solution, we created what we call ‘flat sheets.’ Flat sheets are tiles hosted inside AvioBook that act as a one-stopshop to enable pilot awareness for the most critical Flight Operations changes. From the flat sheet in AvioBook, pilots can deep link directly into DocuNet and provide must-read digital compliance statements plus become instantly familiar with any critical operational changes that may have been published since their last trip.
Remember the ‘circle and tick’ oceanic procedure? Through AvioBook we found a solution to automate and immediately access a means to fill out a post-flight report of fuel scoring and waypoint validation. The improved solution

The easy adoption of AvioBook by our pilots has led to a seamless transition and maximization of our original goals toward total digitization and, subsequently, cost savings. For the challenge of signature capture, we made use of the flexibility afforded

Following the successful launch of Phase 1, in August 2022 we kicked-off the next implementation phase that was built around the ‘Phase of Flight’ module from AvioBook. This Phase includes checklists, airport information, and greater database integrations.

Roll out possible with simple CBT training session
The Phase of Flight module goes one step beyond checklists. Pilots understand how to use a checklist, but Phase of Flight provides an interactive workflow for pilots and summarizes the expected flow of events for each flight, signature requirements, and normal checklists. It also helps an airline emphasize
the philosophy and standards of their normal and expected processes, and is easy to modify to drive further integrations within an operation. Put succinctly, Phase of Flight offers visibility over operations and tasks that pilots need to complete to ensure task completion in an organized manner that aligns with each phase of a flight from preflight to completion.
Digital Checklists
Phase of Flight integrates seamlessly with the Checklists module provided by AvioBook. At Frontier, Phase of Flight has created an opportunity to easily create and update digital checklists. Digital checklists allow Frontier to easily maintain standardization across our fleet, are efficient for administrators to update, and present a seamless workflow for pilots.
Checklist updates can be accomplished in minutes and pushed to the pilot group without the time-consuming task of printing, laminating, and transporting them to the aircraft. For even a smaller operation like Frontier, digital checklists represent cost savings that can exceed US$100,000 per revision. While we still currently print checklists, the adoption rate to digital checklists has been astounding and, in an increasingly paperless world, this will position Frontier pilots for easy adoption to an entirely paperless flight deck in the near future. Additionally, digital checklists within AvioBook provide instant access to other modules, are appropriately lit, and much easier to read at night. Features in the digital checklist also include the ability to override items that are not applicable, or the ability to pause a checklist (for example, while awaiting fueling completion) and resume at the appropriate time. Once complete, the Phase of Flight module directs the pilots to the next phase element or appropriate checklist.
Airport Information
To improve ease of workflow, and as an aid to situational awareness, we elected to add our company airport information pages directly into AvioBook’s Airports module. Risks, highlights, company contact frequencies, and security sensitive elements can now all be updated instantaneously and presented to pilots. Previously, we were pushing those updates through our aeronautical data chart provider which caused an unscheduled update to our aeronautical charts any

time we updated the Aeronautical Information Publications (AIPs).
The geographic location of the iPad can be used to provide information about the nearest airport and suitable alternates, even while in flight. During a flight diversion, pilots are immediately presented with the closest airports alongside their limitations and restrictions. The practicalities of this solution are clear. We are currently improving the Airport Information module with digital ATIS, NOTAMS, and current weather so that the pilot has critical decision data in one place.
Widgets
The final element in Phase 2 is widgets. This has been a collaborative effort with AvioBook to build practical widgets for pilots. Information such as digital briefing cards, tarmac delay information, or jump seat briefing cards have all been moved within AvioBook allowing us to edit them electronically.
One example of a widget that is available to pilots in the preflight phase of flight is the countdown timer. The countdown timer is a real-time widget that ensures time awareness in the completion of crew preflight duties. The countdown timer changes colors approaching and after departure time as well. This small visual tool provides pilots an accessible reference to optimize on-time performance.
In that vein, in partnership with AvioBook we’re developing a delay widget designed to improve operational reporting. The delay widget represents an amazing opportunity in the data capture of costly micro-faults in our operation that can be processed immediately to further improve operational efficiency. The delay widget works by pilot activation. For example, if our aircraft pulls up to a gate but doesn’t have marshallers, ground power, or a jetway driver, a pilot can use the widget to start a timer. When the timer is stopped, the data is made available to Frontier Operations. On the Frontier side, we use the A4A cost of delay at $80.52/minutes as the average cost per minute of a delay for a 121 operator. So, a three-minute delay costs $240. That information is critically important for Frontier’s operations and, when presented to an airline’s operation team, creates a compelling justification that can be addressed and rectified at the operational level on the basis of both qualifying and quantitative cost data. This data is then directly accessible to our system thanks to the Business Intelligence integrator.

Electronic Dispatch Release allows us to further our commitment to maintaining our status as America’s Greenest Airline and enhances the safety and communication tools our pilots have access to while preparing for and operating every flight.”
SUMMARY
Frontier Airlines remains committed to deploying the best technical solutions for both Flight Operations and our supporting networks within the company. AvioBook serves as the operational epicenter for all things Flight Ops and perfectly integrates with other company legacy systems to ensure operational reliability while also providing opportunities for data management during critical system failures. As a Flight Ops Technologists, I challenge all of us to think about our daily operations and how we can improve our existing systems to become better integrated with a focus on breaking down any communication silos between our operational work groups.
I recently learned of Dr. Fogg’s passing. He knew nothing about EFBs, iPads, or systems integrations. However, his legacy lives on today in a system that will ensure that future generations of Frontier pilots learn to love the stories buried in the simple dispatch release.

Logipad Application. Working directly and closely with our customers is one of the most important parts of the job for us. DextraData itself was founded as an IT service provider back in 1995, when there were still ZIP drives instead of clouds and bytes were still written without Giga. And IT? IT was just a cost factor. LI: Logipad supports pilots by enabling them to have a paperless cockpit, while also providing aircraft operators with the ability to cater to their specific needs and preferences. This facilitates flight planning and execution, making the overall flying experience easier for all involved.

from our competitors. For us, the most important thing is that the customer interacts with Logipad perfectly and thus has his familiar forms and processes mapped in digital form. The Logipad Application with its three Modules (Briefing, Documentation and eForms) will look a little different for every customer, because every airline has to work with different requirements and regulations. Also, with the use of Logipad, our customers are not bound to a platform and can therefore choose whether they want to work with iOs, Android or UWP. We adapt the app to the customer and not the other way around.

A new Weight & Balance, Takeoff, and Landing Runway Performance solution at Kalitta Charters II

This case study will inform readers about a Weight & Balance, and Takeoff and Landing runway performance solution selected by and implemented in Kalitta Charters II, a chapter 121 cargo operator known for its distinct type of cargo in freighter aircraft, which posed a number of challenges for performance solution vendors. But before we go into the implementation itself, we’ll take a look at the subject of the article, Kalitta Charters II.
KALITTA CHARTERS II
Kalitta Charters II (a part of Kalitta Air) is a supplemental chapter 121 operator that began in the 1990s. Over the past three to four years, the airline has doubled in size with a fleet consisting of Boeing 727 and 737 (both classics and NGs) aircraft. Many of our customers specialize in the auto industry or are a part of DHL. Historically, Kalitta Charters II has worked with specialized contractors in transporting horses and vaccines (especially during the COVID-19 Pandemic), which is why finding the right Weight & Balance, and Takeoff and Landing runway performance solution was so challenging.
PRIOR TO THE NEW SOLUTION
In the past, to calculate Weight & Balance, Kalitta Charters had used an internal program consisting of Excel spreadsheets and old AFMs (Aircraft Flight Manuals) to make Weight & Balance and Runway Performance calculations. Although the previous

specialized cargo operations. Plus, as with most business decisions, there was a cost factor involved. Even after set-up fees, ASAP was and still is a very reasonable cost compared to other solutions. Most importantly, from a safety standpoint, we liked the way ASAP configured Weight & Balance, and Takeoff and Landing runway performance. Fortunately, Kalitta Charters II received approval for the ASAP STAR solution just in time.
THE ASAP STAR SOLUTION AND ITS IMPLEMENTATION
ASAP simplifies the Weight & Balance, and Takeoff and Landing runway calculation process with the solution ASAP STAR. This solution has been programmed to mimic the AFM at the push of a button. Users are able to see exactly how it would work if a system is inoperative, with information such as that with flaps, (stating) ‘you can only go to flaps five for this runway’. The user is able to see that specifically as well as what are the best weights and the V-Speeds for a particular aircraft.
Although ASAP was willing to customize the ASAP STAR solution, it turned out to be a bigger job than anyone had expected. The actual implementation was quite lengthy, taking about a year. One reason was that, at the time, Kalitta Charters II was operating a horse charter, requiring a customized Weight & Balance, and Takeoff and Landing runway analysis solution to be built from scratch. There was a lot of back-and-forth between the teams and crew members/check airmen undertaking the Beta testing. In one way or another, all of Kalitta Charters II’s Safety Department was involved.
Kalitta Charters II’s horse cargo was unique, to say the least. If you are flying with DHL, everything is in containers that easily go into specific compartments in the aircraft, but Kalitta Charters II needed the ability to spread their horse cargo
over multiple compartments to accommodate the horse stalls. This was also the case when hauling oversized oil drilling equipment, which could have one item overlapping up to four cargo positions. A system that could handle variations in cargo size and positioning was essential.
Another hurdle to overcome was that DHL, an owner of some Kalitta aircraft, uses its own Weight & Balance system, so making sure ASAP had closely comparable numerical results was extremely important. Due to this, several people at DHL were involved in the implementation of ASAP STAR. Between running test cases in parallel between Kalitta Charters II and ASAP STAR, there were anywhere from six to eight people involved at one time during the implementation.
Many hours consisted of testing what ASAP already had to offer within the system, while also figuring out how to make the program work for Kalitta Charters II’s specific wants and needs. The good news was that it all worked well
During this implementation period, Kalitta Charters II was using ASAP STAR in parallel with the old system for three to four months to get a lot of data and prove to the FAA that the new system was just as robust as the previous one – if not more so. Now, the ASAP STAR system is running well for Kalitta Charters II. As with any solution, there will continue to be little things from daily use that

like change. Some of the program works slightly differently from the old program, but it covers the same areas. New pilots don’t know any different, but the established pilots need to learn a new system.”
may need to be tweaked. Some of these issues are specific to the Boeing aircraft, but overall, the ASAP STAR solution addressed the pain points of Kalitta Charters II: it is integrated with other systems for flight planning and it fixed the airline’s issue of Weight & Balance, and Takeoff and Landing runway performance.
The ASAP STAR solution is a change, and pilots don’t like change. Some of the program works slightly differently from the old program, but it covers the same areas. New pilots don’t know any different, but the established pilots need to learn a new system. ASAP continues to modify its system within the confines of it being an off-the-shelf program, and has proved time and time again to be dynamic and flexible.
PROCESSES AND OPPORTUNITIES
ASAP did not provide contaminated runway landing data for the Boeing 727 — for the 737, they could modify some off-the-shelf material. Part of this issue is that the 727 is an older type of jet that is no longer in production and which almost nobody flies. The provision needed to be rebuilt from scratch, and there are a lot of functions that had to be built in ASAP STAR to try to get it as close as possible to Kalitta Charters II’s old system. Kalitta Charters II’s biggest fear was that we were being too conservative with ASAP’s solution and might not be able to fly into certain airports in the winter where we could have on the old system. With the ASAP STAR system, this fear was never a reality, and there has not been an airport Kalitta Charters II could not get into.
The majority of the issues were things that ASAP did not have which again, required a modification of ASAP STAR. As far as the interfaces with Kalitta Charters II’s systems were concerned, things worked almost the same with ASAP STAR as with the old system. One thing where ASAP excelled far past the old system was that it made sure there was not a big disruption in the way Kalitta Charters II carried out its everyday operations and processes.
An opportunity arose within the ASAP STAR solution for Kalitta Charters II, helping to go towards a paperless cockpit. The previous system forced pilots to print out ad-hoc analyses or load manifests multiple times, whereas ASAP STAR syncs from one device to the next.
With the data back-up on the ASAP server, the FAA was able to approve Kalitta Charters II’s pilots and dispatchers having the load manifests on their iPads without the need to print a paper copy as well. That was a major plus for the pilots to have one less job to do before take-off. The new ASAP STAR solution has provided a good step along the road to an all-electronic cockpit. When the implementation first started, Kalitta Charters II was still using the old system of printing, but ASAP did not have this detail readily available. When something was printed from the system, it was very long and hard to read because it was not designed to be printed, but to be viewed solely on the iPad, where the design is phenomenal. Kalitta Charters II was not the only carrier to face this issue, so ASAP modified their program, and now there is the option to print out the load manifest in an attractive design.
In most airlines using ASAP STAR, there is already a process in which dispatchers can set up a flight and hand it over to the pilots in charge of the aircraft. Loadmasters can easily identify and make any necessary changes for Weight & Balance, but all of it can be done from the pilot’s point of view as well. In short, however the customer’s systems are currently working, ASAP can make sure that the ASAP STAR solution fits their individual needs.

This project took some time, having to take into consideration both the base model of the aircraft as well as the changes that had to be made such as placing the door in the middle of the aircraft instead of the front or back. Obviously, this needed to be taken into account, but the ASAP Team was able to instantly identify those changes and implemented them fairly quickly. Once that was overcome, some small late changes were also handled swiftly.
TRAINING AND REGULATORY REQUIREMENTS
There were a couple of meetings where ASAP trained the managers and instructors at Kalitta Charters II and then those individuals were sent out to train other users. The ASAP STAR system is designed to be easy to understand and teach others. Kalitta Charters II also used screenshots from actual ASAP STAR screens and turned those into PowerPoint material. It took about two
received approvals from many POIs all over the world proving compliance with the FAA, ICAO, EASA, and many others.
THINGS KALITTA CHARTERS II MIGHT DO DIFFERENTLY
The way in which Kalitta Charters II implemented ASAP STAR was fine but, if we were doing it again, we would most likely want to be clearer about specifics in what we wanted and the cost up front, because it is hard to have to keep going back to management to ask for more money. The problem from the Kalitta Charters II’s side was that we didn’t know what we didn’t know. For a chapter 121 operator, there is more that they need to know in order to be able to accurately price the business proposition from the start.
From ASAP’s perspective, there was difficulty receiving up-to-date data from Kalitta Charters II the first time around, which is why it had to be done a couple

of times. What ASAP realized from this is that customers need a strict list of what the vendor needs, and that the most up-to-date data is always needed to ensure a smooth operation. ASAP now uses checklists to help their clients identify everything that is needed.
BENEFITS GAINED
The new ASAP STAR system works every bit as well as Kalitta Charters II’s old system did. Dispatchers and pilots like it because it makes more information available to them, and a lot fewer calls are being made to report that the program has broken. From a safety standpoint, other programs could not deliver as robust V-speed calculations or performance calculations as ASAP. When an aircraft was light, pilots were not considering VMCG (Minimum Control Speed on the Ground), should an engine fail. Anything below the VMCG could cause a loss of control of the airplane and make it go off the runway.
At first, after the implementation, Kalitta Charters II were receiving calls from pilots saying how the old program would allow them to take-off with flaps five, but how ASAP STAR wouldn’t allow them. Of course, there was nothing wrong with ASAP STAR — the performance was considering another layer of safety that was not present in previous systems. The ASAP system’s ability to instantly calculate take-off speeds has removed the need for pilots to look up those speeds on paper charts and manually enter them into their system, another step moving towards a paperless cockpit. That is a measurable safety improvement with everybody being standardized on ASAP.
THE NEXT STEPS
Kalitta Charters II is onboarding new aircraft every month, which is good for both the airline and for ASAP to be able to ensure that their Weight & Balance, and Takeoff and Landing runway performance processes are suitable for operation. ASAP has been working with Kalitta Charters II to set up our new Boeing 737-800, which is our first aircraft to utilize a manufacturer compiled SCAP (Standard Computerized Airplane Performance) module. Unfortunately, this currently requires an internet connection to process runway performance for iPads. ASAP is actively working with Kalitta and Boeing to add the ability to monitor performance without an internet connection for this new aircraft type.
Overall, the process worked very well and Kalitta Charters II is extremely pleased to not only have a new Weight & Balance, and Takeoff and Landing runway performance solution, but to also be able to take their first steps toward a paperless cockpit.

While the main purpose of this article is to share with readers current features and upcoming cutting-edge developments, we’re making to Tomorrow.io’s aviation offering, it might first be useful to provide some background information about our business.
TOMORROW.io
Tomorrow.io is the world’s leading weather and climate security platform.
Founded in 2016 by former Israeli Air Force pilots who had first-hand experience with the impact of weather on flying, Tomorrow.io has now been in business for seven years. Originally established with the objective of solving weather problems at all levels from observations to software applications, Tomorrrow.io has always striven to solve fundamental problems encountered with weather. Those problems vary in different parts of the world but, for the developed world, it is about how to understand when, for instance, will the rain arrive or when will lightning strikes occur. For the less developed parts of the world, the challenges posed by weather are much greater, especially in sectors such as agriculture. At the outset, the business was verticalized, supplying sensors to work with, for instance, the Internet of Things (IoT) and building the appropriate models to leverage the information gathered by those sensors.
THE CHALLENGES POSED BY WEATHER
Most weather forecast models in the world today are government driven: they are fine for basic weather information but little more. At Tomorrow.io, we have developed our own proprietary model addressing the issue of what weatherrelated information should be available wherever you are in the world and what users can do with that information. Tomorrow.io applications don’t only provide the data itself and what the weather conditions are going to be; we provide weather intelligence — complete with predictive insights (figure 1) and automated alerts, our platform provides recommended action so aviation organizations can stay safer and operate more efficiently in advance of weather impact.

At the most basic level, when users see a weather forecast, they just see the numbers whereas what they really want to understand is how that should be reflected in their decisions and subsequent actions. This is where Tomorrow.io applications perform well taking a specific weather condition and transforming it into a useful and appropriate idea for action.
In aviation, there are certain procedures that are reactive to specific weather conditions: what Tomorrow.io does is take those conditions, such as high winds at a given velocity, and show them on a graphical view with a timeline that can be sent as an alert to recipients for whom it will be relevant so that users know when they will meet those conditions.
Importantly, Tomorrow.io is not there to replace professional meteorologists. On the contrary, our technology empowers METAR (Meteorological Aerodrome Report) users to extend their capabilities. Once a professional meteorologist is using the platform, their capabilities will be enhanced by the application of their professional skills to the best information available.
THE PROBLEMS WITH WEATHER FORECASTING TODAY
There are many problems with legacy weather systems but most of those problems relate to the fact that sensors are mainly government owned and controlled (see above), meaning that most weather Apps and solutions are based on the same governmental data. As part of the delivery of a suite of enhanced services, Tomorrow.io is launching its own Satellites that will offer a global coverage which is not available today. Currently, when an aircraft is flying from London to New York, there will be good weather forecasts for the UK area but, as the flight gets to the central Atlantic, it will have to rely on some old and, possibly, not updated forecasts derived from government satellites in high orbit. The satellite might not have been over the relevant area for hours or even days and the forecast might say to expect to encounter cloud but not the altitude of that cloud, what type of cloud it is, does it contain ice particles, is there turbulence associated with it… all information that the pilot would want to know. It can get to a point where a pilot has to rely on the aircraft’s radar which has similar limitations. It will show weather but not what it will be possible to do about it, say pass on the right or left or go above it.
So, what airlines do in order to be able to deal with that is, they take a lot of extra fuel onboard to give them the time to decide. They are very reliant on reports from other aircraft in the area. The problem with that extra fuel is that a large part of it, about ten percent, usually goes to waste. Of an extra tonne of fuel uploaded just to allow the time for that decision-making process, 100kg will be simply vaporized, plus the extra weight of that fuel makes the flight more expensive and less efficient. In a worst case, it can even make the aircraft so much heavier that it cannot cruise at the ideal level. All of that can be solved if pilots have access to the same quality and detail of
weather information everywhere that is available in the continental areas like Europe and the USA. This is what Tomorrow.io envisages; the ability to have, at every point on the globe, low-orbit satellites at intervals of about 90 minutes that will be able to deliver higher quality weather information than high-orbit satellites and will be able to tell pilots what alternatives are available to them in order to avoid bad weather. This will be our greatest contribution to the industry.
WHAT WE ARE DOING TODAY
Some things that Tomorrow.io is doing already is checking the governmentdriven weather information that everybody uses but using our applications to provide more useful weather intelligence. For example, when there is lightning at an airport, usually it means, depending on the proximity of the lightening, that take-offs and ground operations might have to stop. Normally proximity is checked visually to see how close the lightning is as the basis of deciding what to do. However, once Tomorrow.io has the lightning data in its software, it can be connected to the solution’s alerting abilities (figure 2), the live map, and all of the high-end infrastructure of the system so that users can draw circles of reference around the relevant airports, not only what strikes have happened but also to identify when the lightening will have cleared inside a specific radius.

This is what airlines need. It’s called an all-clear timing because the regulators have defined specific processes that derive from that all-clear timing. After
lightning has cleared that area for ten minutes, airlines can continue their routines and procedures as usual. Tomorrow.io provides significant support for that and for other cases such as icing and high winds.
KEY FEATURES
Our new solution embraces all the above, weather intelligence and weather insights, as an assistant in a decision-support tool in the main areas of priority for airlines: flight planning and flight monitoring. How we will achieve that is by first adding to the platform’s basic winds and temperatures, up to 55,000 ft, turbulence forecasts, icing, and Cbs (those dangerous Cumulonimbus clouds to be avoided when flying). All of that package, based on government data, is the basic information that you’d want when planning a flight and is usually not in real-time but uses forecast models. In the new Tomorrow.io system, all of those layers of information will be available but for 36 hours ahead which is the most relevant time for planning flights. A flight can be planned with all the relevant data at all levels so, hopefully, the airlines will be able to plan a route from A to B at all levels in three dimensions plus time (figure 3), with every part of the route then being monitored.

One of the problems for airlines in the planning process is simply the amount of data that needs to be taken into account by all parties to the flight. For a flight such as Israel to England there might be a 30-page flight briefing of which 25 pages would be weather data; a lot of data to be consumed for each decision by the pilot. We have set out to design a solution that brings it all together and only alerts the pilot when there are problems ahead, management by exception. Of course, the three-dimensional top-level display is not new but what is new, in addition to that, is Tomorrow.io’s insights engine’s ability to offer decision support plus, we can provide our own proprietary data models. For example, we have a state-of-the-art model for ground-level forecasting which we have called 1Forecast, which some US and South American airlines are already using and which provides better value than any other model at ground level. It offers users the edge inasmuch as, even though an airport might say that it will be open by, say, 09:00 because the fog will have cleared by then, the Tomorrow.io report might say that it will be clear 07:00, which gives the airline has an additional two hours to plan and being two hours ahead of that government data can mean a significant amount of money for an airline.
COVID-19 AND TRAINING
In the period following a pandemic, anything that can make decisions easier is always going to be welcomed. But that was also appreciated during the period of the recent Covid pandemic. In that time, Tomorrow.io focused efforts on the logistics sector which was much busier. With cargo aircraft, as with any aircraft, better weather information with decision support will still save time and money. Also, in the US, domestic aviation during Covid was not that badly hit but the Tomorrow.io solution that helped them to be more efficient, for example, knowing when to de-ice an aircraft, was very much appreciated.
That means, for example, that, for the first time, the airline can build onto the Tomorrow.io infrastructure the ability to alert them when specific conditions are met and in three dimensions. A user can plan 100 routes, upload them to the

the solution, they will very quickly get to grips with it and how to use it to their advantage. Weather is a key factor in aviation and the availability of an intuitive solution that also supports faster and better-informed decisions about weather and dealing with it offers airlines and operators a major advantage (figure 3).
REGULATIONS AND REFLECTIONS
As far as regulations are concerned, if Tomorrow.io is to be useful for airline and operators’ headquarters, it will need to take account of regulations. There are two processes underway in this regard. First of all, we are aiming to become a certified meteorological service for airlines, meaning that we’re aiming to have the ability to sell a met service as EWINS (Enhanced Weather Information System) certified so that airlines will have Tomorrow.io mets certified by the FAA to, for example, provide TAFs (Terminal Aerodrome Forecasts) and to do everything that the HQ workflow involves.
The second process is that Tomorrow.io is building a CWIC ability, CWIC is the commercial weather information provider. There is a basic governmental package that offers a minimum requirement with which weather tools can work and which the planning system needs. Usually, when those planning tools are designed for flight trials, it is simply necessary to get that weather data package. At Tomorrow.io, we are working to push that data as fast as possible, which also involves a lot of regulation because, when that is done, it is required to maintain redundancy between jurisdictions. We also need to retain specific latency definitions for times and publications so we need to be strict with regulations. For example, on the Tomorrow.io platform, for every airport you click on, you’ll get the METEO (Meteorological) and the TAF with the observation forecasts of the aerodrome. In order for Tomorrow.io to be able to say that this is a METAR Meteorological Aerodrome Report) and a TAF, we have to ensure that we are retrieving them from the right, official government source, which we do.
Working with customers’ processes
An airline or operator implementing Tomorrow.io does not have to change any processes for the solution to work but we hope that they will because we want to save them time. For example, in any airline there will be a set of procedures
that are tied to specific weather conditions. What Tomorrow.io can provide is that, when the user gets that weather condition alert, the alert already includes the relevant procedure material as an attached file. So, using the solution properly can save some time but that will be most effective if users do adapt some processes in order to access the best benefits.
FUTURE PLANS
The biggest development in the near future will be launching the satellites as planned and having that global coverage in the system that is relevant and applicable for every airline that wants the data. That will save lots of money and even lives if it’s properly used, and that is our vision. In the long term, given that we are now seeing ground operations, meteorologists, and dispatchers as well as flight planning and monitoring using our solution, looking two or three years ahead we should be able to also have a real impact in the flight deck where Tomorrow.io’s capability as a weather decision-making tool will support some of the most important decisions being made in the flight deck where decisions usually involve safety. Our processes can assist in decisions such as where to land in an emergency faced with up to ten alternative airports, to decide which will be safest.
As I stated earlier, we are just at the start of our development journey but I hope that, in this article, readers have learned something useful about our service.

As Head of Safety and Quality, the documentation system resides in Capt. Kuhan Ananthavadivel’s area. Capt. Dharmaraj Naiker is Director of Flight Operations and his team, pilots and cabin crew, as well as he himself are key users of the manuals referred to in this case study.
MYAIRLINE
MYAirline is a very new airline. The core management group of ten people was recruited in early 2021 and, in the second quarter, we started the necessary processes with the Malaysian Aviation Commission (MAVCOM) to get our ASL (Air Service License) granted. Once that had been granted, the next step was the AOC (Air Operator Certificate) approval process. After that, the challenges really started with the pressure to finish our work quickly, efficiently and effectively in order to meet the timelines that we had established. The manuals were the first project that had to be completed.
As a new low-cost carrier (LCC) operating from KLIA2 in Kuala Lumpur, MYAirline was awarded a provisional Air Service License by MAVCOM on 22 December 2021, followed by our AOC on 1 October 2022. Currently with 500 staff, MYAirline had three A320 CEOs ready to fly at the time of writing. The plan, over the next five years, is to grow the fleet to 50 aircraft and, while starting with domestic services, we plan to operate regional services very soon.
OPERATIONAL CONTENT MANAGEMENT REQUIREMENTS
Before work could be done with the manuals, we had to establish our requirements for them. (figure 1).

incorporating all of the required and guidance materials into our manuals. We also wanted our manuals to be consistent: having harmonized manuals is very important to us. When you try to use Microsoft Word to write manuals, and there are, say, 15 SMEs (Subject Matter Experts) working on those manuals in different areas, there are bound to be cases where one manual refers to a particular topic that also appears in another manual but the two might reflect different, even divergent content. This would easily be picked up by a regulator and would suggest not only carelessness but also that the team could not work together and get agreed definitions of given topics.
The first and mandatory requirement was that our manuals had to be compliant. To achieve that, we referred to three sets of legislative and advisory documents published by the Civil Aviation Authority of Malaysia, we also referred to IATA’s Standard and Recommended Procedures as IATA membership was one of our long-term goals. That meant meeting all of the legislative requirements by
The next requirement was that the Operational Content Management (OCM) system supporting our manuals had to have a user-friendly interface — not just for end users, but also for the manual content writers. As mentioned before, time was of the essence in completing our manuals, which meant that people taking on the authoring had to be able to work directly, effectively and fast; otherwise, there was no way that we would have been able to finish in time.

We also needed the OCM system to support all of the OEMs’ (Original Equipment Manufacturers’) documentation and we needed it to work on XML and HTML, to support XML editing of Airbus manuals.
Finally, as part of our vision and mission statement, we had committed ourselves to be sustainable, so we tried to reduce any use of a paper option. We didn’t want anyone to think that they could work on a paper and then try to import that into an authoring system. We wanted to work right from the start with an authoring system. These requirements generated the challenges that we anticipated facing, and which we addressed through our management of change exercise.
THE CHALLENGES
The first obvious challenge was that these manuals had to be created from scratch. We eliminated the option of templating from existing manuals, because it would be unethical and furthermore it would mean inheriting errors and inefficiencies.
The company launched with ten of us but, by the time the manuals had to be written, we had 15 SMEs and had onboarded 15 technical writers to help us work
on their production. It meant that we had to make the most effective use of our available expertise. That meant there would be times where the SMEs would be concentrating on the material and making sure that they sent the writers exactly what they wanted to be written, as well as consulting with each other to ensure continuity. Having to do this in the midst of Covid and across multiple Zoom calls with everyone involved proved to be a challenge. It was paramount to get everything in order if we were to achieve harmonized and really congruent
We needed our processes to be agile and the material to be correct, but we also needed it to be comprehensive. The technical writers had to work quickly and efficiently to get everything written as we wanted; so, they also had to be agile. Of course, being a low-cost carrier means keeping costs as low as possible, but without compromising safety or quality — that’s always going to be one of our primary goals.
SPECIFYING THE SOLUTION
The solution was obvious: We could not work with or through a paper medium, so we needed an authoring system that allowed us to work directly in their platform. It had to be easy to adopt, with minimal set-up because of the cost and time benefits that we’d gain, and it had to be able to reproduce the exact layout we intended. To support the human factors elements in our manuals, the idea was to reproduce the appearance of a paper manual but in an electronic form, with the same feel and touch because most of the end-users had, at one time, used paper manuals. Taking them to a whole new appearance would be difficult, and it would require additional change management. Being user-friendly and intuitive from the start was the approach we decided to take.
We also needed to map regulations and recommended standards. Writing a manual requires complying to a standard, and the best way to achieve this is to have a standard mapping directly to its location in the manual. The writers knew exactly why they were putting these words into the manual so it made sense for that to be associated with a certain civil aviation directive, or civil aviation

guidance material, or guidance from IATA directly. The manuals also had to be able to cross-talk; we could not have two manuals saying two different things about the same subject. So, in the digitalization of manuals, we wanted to take advantage of the reusable content concept. A lot of reusable content needed to sync across all of our manuals.
The flight safety documentation system that we intended to create required 28 different manuals, and the Civil Aviation Authority of Malaysia (CAAM) would need to review and accept or approve all of them. These 28 manuals had to have content that would be reusable, and it had to be the same content consistently appearing in these manuals. Plus, the XML and HTML component had to exist so that we could work with Airbus, our fleet’s OEM.
FINDING THE RIGHT SOLUTION
The key consideration was that we wanted a mature and reliable partner, with a proven solution that had strong references in the Asia-Pacific (APAC) region. We needed a solution provider who was experienced enough to help us, teach us, show us and guide us through the process because of our very tight timeline. They would need to be able to support our timelines, have a user-friendly solution and deliver strong customer training and support. We had technical writers, but they had all been used to different systems, such as Word or Pages. We needed them to receive training not only to put the words into a platform,
but also to create tables and processes, to establish procedures and, in all of this, they needed to know how to do it efficiently and quickly.
We also needed a solution where both SMEs and technical writers could work together. Having a team of technical writers replicating content shared in paper by SMEs was not an option. We wanted all contributors to the process to work together in the same system to collaborate effectively and finish manuals faster.
Finally, we were looking for good governance and simplicity; we needed to get the job done, but we didn’t want to sacrifice good governance. We needed

to have an audit trail, and to know that people were working on authoring the manuals, at what speed they were working, and how fast we could prepare these manuals.
IMPLEMENTATION
We evaluated partners to help us in our project and the company who best met our requirements and specifications was Comply365. We started the implementation in August 2021 (figure 2).
Our Implementation Story
Full Suite Implementation in 6 Months
The initial training phase for the authoring platform (ProAuthor) took us almost 20 days. The full suite took a little longer, and by December 10 we had created our first drafts of regulatory manuals. It was a very quick process for the creation of all the 28 manuals that were required as part of our FSDS (Flight Safety Documents System). Then, finally, in March 2022, we managed to complete the full suite. That full suite from Comply365 involved not only the authoring, but also automated workflows, distribution and electronic forms. They had different roles, which we’ll look at later in the article.
The implementation involved eight departments (figure 3). While creating the initial requirements for the Flight Safety documentation system, we realized that there were going to be even
more manuals to be created — for example, an announcement handbook for cabin crew members, as well as a manual to assist them in how to manage sales.
As a result, we created further manuals, which meant that 38 documents were finally submitted for compliance.
Figure 4 shows the process from start to end.

Essentially, the authoring process involved us first deciding on the standards we wanted to meet (CAAM, IOSA, etc.), then creating checklists for these standards and which specific words we wanted to replicate from the standard. This would then be translated into simpler language, but it still needed to meet the requirements. After creating it, the technical writers were simultaneously completing their training so that we could give them the material to write. Lastly, they started to compose the content, followed by proof reading and tagging. The tagging in this case is identifying the reusable content and identifying the master manual for that content.
If, say, the material was part of the safety policy, there could not be another manual reflecting anything different from the original safety policy decided in our Safety Management System manual. So, we tagged it, made it reusable content and told all technical writers and SMEs that, if they were taking anything from Safety, they needed to take it from this location. Comply365 allowed this to be done within their platform.
This was also true for anything that was shared, such as required forms, because we wanted all relevant material to be available for all manuals: so, forms

appear as reusable content in those manuals. If anything in reusable content is changed, users will be informed of the change, and then they’ll incorporate that change. Therefore, all MYAirline’s manuals will remain congruent.
Finally, we had to review the manuals to make sure they were all correct and that we were happy with the product. Meetings were held to ensure our manuals were congruent because we understood how content with a specific purpose might sometimes be written differently across manuals. But we wanted to be sure they were all worded in exactly the same way to prevent misunderstandings when the users of the manuals read the material.
THE MANAGEMENT OF THE CHALLENGES
The challenges we faced were quite interesting, and we addressed them effectively.
First was the ‘Front Matter’, which is the term used to designate the part that precedes the actual content of a manual. In most manuals, the arrangement of the Front Matter is the choice of the author, but in Comply365 that’s slightly different, for reasons such as tracking effective pages or highlighting revisions. That translates into a better user experience, such being able to tap the revision highlights and get directly to the location in the manual where that material was updated. However, the regulator was used to seeing the manuals ordered in a certain way. To address that, MYAirline engaged with the regulator to explain the purpose and advantages in terms of helping users locate the information they need in a much faster and convenient way. The Civil Aviation Authority of Malaysia assessed the new proposed logic and eventually approved it.
The last problem was a little workaround that we needed: The authorities required a wet signature and a wet stamp on the manual to show approval and acceptance. To get that in Comply365 we had to print the page, get it stamped and signed, scanned and then put back in the platform. It took a little more effort than we had expected, but fortunately it only involved a few pages.

As part of the audit that we went through, there were findings from the regulator that we had to address and, in some cases, this meant the need to produce circulars and notices. Comply365 helped us to create circulars and notices, and we now moved from creating content in the ProAuthor platform of Comply365 to the distribution feature. Comply365 allows us to push out notices and circulars to all relevant staff on the same platform. This meant that all the circulars and notices could be better managed and co-located. The next question was, how were we going to ensure compliance? Again, Comply365 allows for the reader to sign the document electronically; that way, we keep a count of which manuals, circulars and notices have been read and when they were last accessed. This enables us to show the authorities that not only had we created the documents but that they are being used, circulated and read, as well as being updated regularly.
When we initially started the project, it was the CAAM regulatory documents that were to the forefront of our minds. However, where possible we had also worked hard to include the relevant IATA ISARPs into our manuals. Comply 365 had provided us the IOSA XML framework which meant we could ‘tag’ or mark a portion of content in our manuals as being put there for the purpose of meeting a regulatory or IATA audit item. This would ensure that any future author attempting to amend this manual would realize immediately that this statement is linked to a standard and should be treated with care. It also meant that by printing out these tagged sections we can very quickly create an inventory of ‘statements’ that we had written in explicitly to match a standard. This would make facing an audit much more convenient.

improved and made more effective so that they will be more inclined to use them, and use them well.
FROM A HEAD OF DEPARTMENT’S PERSPECTIVE
Here’s a little history about the Civil Aviation Authority of Malaysia, which initially adopted EASA for their regulatory documents. Because CAAM is not a member of EASA, nor do we have any MOU (Memorandum of Understanding) with them, we are not able to have the updates or the latest information. Two years ago, the Civil Aviation of Malaysia, to which Capt. Dharmaraj Naiker was seconded, decided to adopt all of the ICAO Annexes. The CAAM started developing new manuals and new compliance material and all these documents were then uploaded to their website.
Some start-ups might be tempted to take shortcuts; perhaps try and get a manual from an existing airline similar to what they plan to be and edit the manuals to fit their brand. In MYAirline, because of the new requirements with the Civil Aviation Authority of Malaysia and our intent to tailor make our manuals,
we used Comply365 to start writing our manuals from scratch. This meant we required training in the use of ProAuthor. Comply365, was able to provide us access to training; also, they could do it online so that the people who are using this platform are able to be trained and understand how to write the manuals on
No experience or even knowledge of XML is required as it is fairly easy to create content in the Comply365 platform. Authoring can be done in XML to write the manuals. Also, the text can be imported into ProAuthor using a basic intuitive computer program; it doesn’t require sophisticated computer knowledge. The next thing is the indexing; paragraphs and numbering were automatic, and the styling was very customizable. In a nutshell, Comply365 was very useful; it was accommodating and was very easy to use for people who are using it for the first time.
In any airline, the organization needs to comply with regulations and directives so all the manuals that have been developed must meet the required standard. With the aid of Comply365 we managed to complete our AOC process within the CAAM charter timeline of 90 days. To be exact, we completed the AOC process in 77 days, which was a record for the regulator.
Comply365 also aided us in getting the MYAirline EFB conditional approval; in the EFB approval process you have to show proof of how documentation will be managed, the reliability of the system, and the requirements to meet all of the regulations and directives. Comply365 was there to ease the approval process for our EFB.
Tracking and ensuring that all manuals, circulars and notices are being read and acknowledged was easy because the Comply365 system allows us to monitor who has and who has not read, opened or acknowledged the circulars and manuals that have been issued. This feature would also allow regulators to audit and see how many people have or have not read a given circular or manual update.
Last but not least, the manuals and other documentation were easily distributed and accessible to all users using Comply365.

Producing and distributing Circulars, can now be done in seven minutes rather than the seven days that the process could take if handled manually. Finally, when it comes to accessing the content, just look for the keywords and it takes you about nine seconds to get to the portion of content that you want.

Using Comply365 has given us efficiencies and ensures that MYAirline will have strong governance from the start. It has also enabled the integration of workflows and electronic forms into the MYAirline documentation ecosystem across all departments. This has been an exciting start to our new airline, and we now look forward to further exciting things to come.

For giggles, rather than paying for stock photos or asking for a favour from our designer, I thought I’d have a play with OpenAI’s DALL-E AI to generate some suitable imagery for this column. I asked it to provide photo-realistic images of robots dressed as pilots. After tweaking the request and iterating on some of the more acceptable results I produced something that was kind of fit for purpose but was more able to showcase the state of the technology right now. It’s a bit like a Google search; extremely accessible, intuitive, and effective, but you kind of need to know what you’re doing to get the best results.
WHERE DOES AI THINK THAT AI IS GOING?
Rather than worrying about low-cost labor taking our jobs, the more valid concern for professionals the world over should be skilled jobs being taken over by robots. Aside from the continual debate about the future of flight and pilotless aircraft, where are we with regard to the adoption of artificial intelligence within flight ops software? I decided to ask an AI for its opinion (in this case ChatGPT).
Question: What are the potential uses for artificial intelligence and machine learning in commercial airlines today?
Answer: There are several potential uses for artificial intelligence and machine learning in commercial airlines today, including:
Predictive maintenance: AI can be used to analyze data from aircraft systems to predict when maintenance will be needed, reducing downtime and maintenance costs.
Flight optimization: AI can be used to optimize flight routes, fuel consumption, and other factors to reduce costs and improve efficiency. Passenger experience: AI can be used to personalize the passenger experience, such as recommending in-flight entertainment or providing personalized offers.
Autonomous flight: AI can be used to develop autonomous flight systems, which can reduce the need for human pilots and improve safety.

A: It is difficult to say whether the airline industry as a whole is ready for the AI revolution, as it depends on the specific implementation and the readiness of individual companies to adopt and integrate AI technology into their operations. However, many companies in the airline industry are actively researching and investing in AI and machine learning technology, indicating that they are aware of the potential benefits and are taking steps to prepare for its implementation. AI technology has been implemented in some areas of the airline industry, such as predictive maintenance, flight optimization and customer service, but it
may take time before it is fully integrated into all aspects of the industry. The adoption of AI in the airline industry also depends on the regulatory environment and the infrastructure available to support it.
It is also worth noting that the integration of AI in the airline industry must be done with a lot of caution and with a lot of testing, due to the high level of safety and security required by the industry.
MAKING IT REAL
In my current field of Safety Management software, our users are telling us that they want technology to make things simpler for their users and to allow their teams to do more with less. They are not looking to completely automate their safety and compliance management systems nor remove humans from the processes. We’re currently adopting a softly-softly approach with this sort of technology to gain low-impact confidence, experience, and trust. The use cases where we are looking to leverage artificial intelligence are mainly associated with building structure around unstructured data, and finding patterns in data. This results in making suggestions to end-users and not making decisions for them. So, it’s a case of the technology flagging cases where data looks like something that has been seen before, to allow the user to act on suggestions, rather than triggering automation without consent.
As ChatGPT said, integration of AI needs to be done with caution and with a lot of testing, as gaining the trust of users and regulators requires transparency, testing, and time… or at least that’s how it is according to IT & Me!

This being Aircraft IT eJournal, our case study is going to look at IT systems in an airline, in this case, AeroLogic. We’ll share with you what we have seen, what we have implemented and, in particular, our implementation and use of eWas Dispatch and eWas Pilot. We’ll also look at our implementation of SITA Optiflight. But before we go into details about these solutions from SITA FOR AIRCRAFT, let’s quickly introduce you to the airline in question, AeroLogic.
AEROLOGIC
The airline, a fifty-fifty joint venture between Lufthansa Cargo and DHL Express, is German based and operates cargo only services with an all Boeing 777F fleet. We serve a world-wide network flying ninety-five precent intercontinental missions with several routes that are flown every day. AeroLogic is a very lean business and a young company compared to others, having started operations as recently as 2009 and having adopted a Greenfield approach. In that, we were very keen to use innovative IT systems from the start to provide the support that the airline needs for Operations. Now, let us look at the software, starting with eWAS Dispatch.
eWAS DISPATCH
This is a great software, meeting the need to track and monitor all flights in order to be aware if anything goes wrong or anything happens that shouldn’t. But eWAS Dispatch does more than just this; it’s not only a tracking tool with which we can see the actual position of an aircraft, but also full navigation data is included plus it can act as a planning and pre-planning tool with FlightWatch or Lido. With the planning tool, we can improve flight efficiency and, most important, it considerably increases flight safety, one of its biggest benefits. It’s a ‘manage by exception’ tool which works in the background at the OCC (Operation Control Center), serving large screens, showing where our aircraft are located around the world; plus some additional dashboards that we can take a look at below.

Figure 1 shows that AeroLogic has a fully integrated navigational database and a system that allows us, even in-flight, to re-plan with the tool.
Our experience with eWAS Dispatch
• We had various cases where we had been able to avoid diversions due to proper flight planning and based on available weather forecast.
• Inflight reroutings due to sudden ATC or airspace restrictions were handled easily with the integrated inflight replanning tool
• Alerting functionality is amazing, especially when it comes to inflight re-routing for different reasons, most likely resulting in fuel issues
SITA OptiFlight solutions that we are currently using are SITA OptiClimb and SITA OptiDirect. With them, we are able to leverage flight data for predictive analytics of fuel saving opportunities and outcomes (figure 2).
OptiFlight: Leveraging Flight Data for Predictive Analytics
That has happened a few times, especially during the Covid pandemic. Flying into the USA and Canada, we were made aware shortly after departure from Germany that some ATC centers had been closed because of Covid cases. We were expecting to receive a re-route and were able to do that planning in eWAS Dispatch. There is a dashboard which gives us an overview of the status of all flights. If everything is green, as in the figure, we know that all of our flights in the air are working well.
SITA OPTIFLIGHT
Having introduced eWAS Dispatch, we’ll now move on to consider the customer case for the SITA OptiFlight suite of fuel efficiency solutions. For AeroLogic, saving fuel for each mission is a big issue, it’s one of the key priorities set to challenge aviation in the future. In that context, eWAS Pilot and the SITA OptiFlight suite are really helping us in making valuable fuel savings.
In the first stage, an aircraft predictive performance model is built taking one year or more years of historical data and using Machine Learning with a so-called trained model. There is input data and output data, which is fuel, and the model is trained with the mathematical function so that we can predict the fuel at each stage in the climb with certain input factors. This initial predictive model is customized to each of AeroLogic’s aircraft. Normally, performance manuals are for the whole fleet of an aircraft type: the performance data has to match each aircraft regardless of the aircraft’s age, weight, or how clean or dirty it is; but SITA OptiFlight uses data specific to each aircraft. On the right of figure 2, SITA OptiFlight is updating the performance model with Quick Access Recorder data which means that, if there is an engine wash, the data base will recognize that and the model will change. If the engine is changed, the model will similarly update. That way, we always have a specific performance model for a specific tail.

This helps us in fuel efficiency because we then take this predictive performance model, introduce four-dimensional weather forecasts, combine with our planned flight as per the OFP (Operational Flight Plan) and then apply the ‘what if’ engine with external influences on the flight such as, ‘what if there’s a noise abatement procedure’, ‘what if there’s an ATC restriction’: the ‘what ifs’ can be customized and then a certain speed schedule can be sent out for the pilots to use. AeroLogic uses the Logipad EFB and has introduced the SITA OptiFlight suite into the EFB which can also use eWAS Pilot so the information can be presented both ways.
Figure 3 shows a SITA OptiClimb Speed Schedule which is always planned for a certain weight. We introduced it into the EFB because, when there is an update in weight, there is automatically an update for performance data in SITA OptiClimb.
OptiFlight: Bringing data science in the cockpit
In the climb, the engine runs at a high power setting which means that there is a high margin for savings. What is being leveraged is the margin between the performance data calculator and the performance data of the actual aircraft. With luck and a good aircraft, there will be more savings than if not. With a target application rate of 75 percent, we achieved up to 80 or 84 percent with training, training, training.
In figure 5, you can see a heatmap calculated by the performance model.

It’s really easy to use, just telling the pilot the target speed and the speed restriction that have to entered into the FMC for Boeing aircraft. From there, it’s all up to the auto-pilot to fly the speed schedule. Everything else is automated. Here, based on customer experience, one really important thing is that, if you use this as a SOP (Standard Operating Procedure), there has to be a really good cross-check between the data calculated and the data introduced in the FMC because any errors tend to happen in the transfer, when humans are involved.
HOW SITA OPTICLIMB WORKS
As we have already mentioned, the performance model supplied by the manufacturer is valid for each aircraft and you can calculate a model for each specific tail which then normally results in slower climb speeds with a slower speed up to the washout schedule, then you near the true speed again but this results in less fuel flow during the climb (figure 4)

As can be seen, if you plot the top of climb (ToC) versus the take-off weight (TOW), for most combinations of Top of Climb and Take-off weight, there is a fuel saving achievement if SITA OptiClimb is used. There are certain weights, say 260 tonnes weight with low Top of Climb level, say 290, where SITA OptiClimb will report no savings are achievable (figure in red on the bottom line) but there will usually be savings, the figure shows, of up to 500kg of fuel savings per climb and that is really a lot. Also SITA OptiClimb is fully automated if you introduce it as a SOP.

Basically, it’s better data matching; taking the historic flight data and the system looks at which direct was most often given by ATC (Air traffic Control) in the past; so, you’re using real-time data, and analyzing it for directs flown leading to an output which says ‘this flight plan was flown in the past on twenty-one occasions and the average saving achieved was 71kg of fuel and two minutes flight time’.
All pilots benefit from historical shortcuts which were given to colleagues flying on earlier occasions (figure 7).

In figure 7, you can see results from all of AeroLogic’s fleet of 20 Boeing 777F aircraft as analyzed by SITA OptiFlight. It is also possible to filter when a direct is recommended or not, plus, combined with eWAS, the system also looks for danger areas and where there will not be a direct shortcut through closed airspace. It is extremely easy to use and also visually pleasing. That brings us to the SITA OptiFlight savings achieved by AeroLogic (figure 8) from May 2021 to April 2022 (12 months).

From AeroLogic’s experience with our pilots, we talk about emissions because they care about emissions. On the same figure, you can see that OptiDirect delivered smaller savings but they were really easy to achieve and delivered an average of 83 kg per shortcut taken which amounted to 226 tonnes of fuel saved over the year with CO2 emissions reduced by 712 tonnes which is a lot for a system that is fully automated if introduced correctly.
