The President’s Letter

Shannon Burks Clegg // Pilot International President It is truly hard to believe that another year has come to a close.

It’s somewhat

bittersweet to see the end of a year. I find myself reminiscing on the past months and try to remember all that has happened. Through it all, I see the wonderful achievements each of you in your clubs have accomplished. Communities across the world are being enriched because of the caring nature of our Pilots and Anchors. Congratulations to our new clubs that have chartered since July 1, 2015. The Pilot Luncheon Club of Morgan County, Alabama was chartered October 2nd. Our Anchors have been very active and have chartered five new clubs. Welcome the new Cordova Anchor Club, AL; Sendai Anchor Club, Japan; Lafayette High School Anchor Club, MS; Anchor Club of Danville, VA; and the newest Anchor Club at Rice High School in Texas. These new Anchor Clubs have added 128 new members. I encourage each of you to look in your communities and schools to see where opportunities lie to share the gift of Pilot and Anchor membership. The Executive Committee and Convention Planning Committee had the opportunity to visit our host city of Montreal for our 2016 Pilot International Convention and Leadership Conference. I hope that you will all plan to attend the convention that runs July 6 –July 9, 2016. Council of Leaders will run July 4 – 6, 2016. We believe you will be pleasantly surprised by the beauty of the hotel ~ Le Centre’ Sheraton Montreal. The hotel is conveniently located to downtown Montreal and only a short walk to Old Montreal. The hotel staff is excellent to work with and we are already seeing the benefits of this relationship. We have great entertainment and surprises coming your way. The schedule will allow you the evenings to explore the city and all that it offers. You can register for your hotel room now at http://tinyurl.com/pihotel2016. The rates shown are in Canadian dollars. You can find exchange rates online at: http://www.xe.com. As we begin the new year, please consider making a donation to our Founders Fund. Your gifts help to continue the community efforts throughout all of our clubs. Your gift may help put a helmet on a child; provide a much-needed respite for a Caregiver; or even assist a fellow Pilot with disaster relief. You can make your donation online at http://tinyurl.com/donatepilot. Best wishes for a Very Happy New Year,

One Club’s Great Fund Raising Idea BY PAIGE HENSON

Fund raising can be daunting for volunteer service organizations like Pilot Clubs. Members must continually ‘compete’ with other local groups and charitable causes for a limited amount of donor dollars in their communities. Each year can present a new challenge: How will our club’s event or special project stand out among others? Will the people in our area support us and participate? Will the local press cover our event in advance to help boost the crowds?

6 | WINTER 2016 PILOTLOG

PILOTLOG WINTER 2016 | 7

One Pilot Club has figured all this out over time. The Pilot Club of Twin Cities holds its annual pre-holiday fund raiser, Taste of the Twin Cities, like event planning pros. Theirs is a well-polished, minutely-detailed event run with utmost precision and efficiency. Individuals and families in the twin cities of Monroe and West Monroe never fail to support it, and the Pilots can expect a net profit of somewhere in the range of $14,000 to fund its many service projects throughout the year. Taste of the Twin Cities has, in fact, sustained the club financially as its singular, signature fundraiser for 20 years. The event never fails to deliver volunteer fulfillment and to cultivate community goodwill. What is this super fund raiser and how did it evolve? Taste of the Twin Cities features local restaurants, caterers and other business owners who purchase booth space to promote their menu, foodstuffs or other products before the holiday

season. The club began the event 20 years ago offering one 8-foot table for each restaurant or caterer to showcase and sell their business. As the event grew in size and popularity, vendor space size expanded to 8’ x 10’ areas. Today, retail businesses and outlets, as well as local restaurants and caterers, participate. Raffle drawings and a silent auction also thread through the day, keeping the crowds engaged and enthusiastic. Pilot International Secretary Karen Cupit is a member of the Pilot Club of Twin Cities, chartered in 1980. Monroe is small city with

Krisan Bryant (Pilot member); Cindy Smith; Dusty Teer (Pilot member); Herb Artigue (manager, Longhorn Steakhouse); and Mickie Douglas (Pilot member). Dusty and Mickie served as 2015 “Taste of the Twin Cities” fund raising Co-Chairs 10 | WINTER 2016 PILOTLOG

a population under 50,000, and it joins West Monroe (population 13,000) as the “twin cities” of Ouachita Parish. Six years ago, Karen moved back to her hometown of Crowville (LA) and began efforts to organize a new Pilot Club in Franklin Parish while retaining her ties with the Pilot Club of Twin Cities and its one large fund raiser. Even as a busy member of the Pilot International Executive Committee, she wouldn’t consider missing out on her club’s one big fund raiser of the year. Taste of the Twin Cities has become an irresistible, “must-attend” event for locals, and participating businesses compete for prizes such as “Best Booth.” (ATOTC attendees vote throughout the day). The success of this event has gone far to boost the club’s brand and position it as an organization that cares and supports its community. Said 2015 Co-Chair, Pilot Mickie Douglas, “This event has not only been a great fundraiser for us, it has brought our Pilot projects and our club’s mission directly to the public.”

Here are some tips for Pilot Clubs looking to bolster their service budgets, their volunteer branding and their membership. These ideas apply to clubs of any size in any market, large or small.

1 2 3 4 5

Consider planning, launching and promoting one large project over time. Tying your club’s name to one successful, high-profile event held annually will help your club prosper via “word-of-mouth” promotion, year after year. It will also draw potential new members who want to be a part of your club’s high level of success and savvy. This year’s Co-Chair for Taste of the Twin Cities, Pilot member Dusty Teer, first learned about Pilot when her company “Dusty & Co” was a first-time vendor at the event several years ago. Begin planning each year’s event at least six months out. The first version of ATOTC was conceived carefully a full year before it happened. At the very least, select your venue a year in advance. Every dollar you save promoting your fund raising event helps your bottom line. This, of course, translates into more Pilot service for your community. When possible, try to obtain everything you will need at little or no cost -- from on-site entertainment…to raffle ticket prizes… to media publicity. Promote this idea of generating “more service” when you solicit contributors. The best thing to remember is: Simply ask for what you need. Stick with the program, and refine the event over time. Said 2015 Co-Chair Mickie Douglas: “We netted only $15 our first year, but we worked hard and learned a lot!” Offer a sizeable discount for tickets purchased in advance. Taste of the Twin Cities sells tickets at the door for $20; $15 in advance. PILOTLOG WINTER 2016 | 11

10

Line up media sponsors (broadcast stations, print news outlets, print shops) that will promote your event before it happens instead of “on the scene” or after the fact. Purchasing media is pricey and can quickly eat up an event’s budget. Add your local media’s name/logo on the posters as an ‘official sponsor’ (they benefit, too, of course), and they may promote your event widely at no cost. Send out invitations from a Facebook event page and use other social media platforms to spread the word. Ask everyone to “share” the news online. Karen Cupit says her club also set up a dedicated website www.tasteofthetwincities.org to promote its event, line up vendors, sell tickets and post updates. Ask your club members to approach local companies they know and do business with themselves and ask them to donate silent auction items and door prizes. Make sure every Pilot member has a role. Karen reports that a ATOTC Fund Raising Committee is designated every year to lead (or co-lead) the efforts, and there are separate committees formed to head up the ATOTC silent auction and to handle ticket sales. Every Pilot in the club is expected to help sign up vendors, sell tickets in advance (and at the door), secure silent auction items, locate entertainment (if needed), and otherwise work in some capacity at the event. The day of the event, Pilots check in vendors and assist them setting up, if needed. Members also serve as door keepers and go-to personnel for attendees. After each event, evaluate what worked well and ran smoothly, and what can be improved in the coming year. “We talk to our vendors and guests directly to see what they liked and disliked,” said Karen. Asking for input from your audience is a great way to communicate that your club cares about every detail of your event and respects the wishes and opinions of attendees and participants.

❖❖DISTRICT RAFFLE by 2015-2016 PI Fundraising Coordinator Emily Glass

In the last issue I promised to share a fundraiser project which you might like to try. This event is a low budget project and can easily make more than $10,000 in a short span of time. This fundraiser is used in our district as the main source of funding. Particulars are as follows: Name of Project: DISTRICT RAFFLE This event may be held anytime during your year. We usually hold ours the month before District Convention to fund our DAC (District Administrative Council) trip to international convention. The planning time can run anywhere from 4 – 5 months the project entails putting together a list of prizes. You may list as many prizes as you wish with a minimum being five. The first prize is the most valued. The first prize should be an item which would interest persons to purchase a ticket. (See sample below). The prizes are solicited from business places or donated by Pilot members. If the first prize is not donated, then the funds derived from the ticket sales may be used to purchase this item. Seek approval from government agency to sell tickets if this is a factor in your State The committee meets - Determine Budget – set amount of monies to be made; confirm cost of tickets and amount of tickets to be sold: $1 or $2 (1,000 tickets @ $1 = $10,000). Tickets are price according to the market you are in. Once prizes and cost are confirmed tickets are printed. Approved time for selling tickets is 4 weeks; this may vary in your area. In addition, select a venue and date to host the drawing of the ticket once sales are completed. This event can also be used as a marketing tool for Pilot. Our drawing is usually held at our District Convention.

Prizes must be collected within three months from the date of drawing. On or before the day of the drawing raffle stubs are folded individually placed in a container suitable for mixing. Selected persons are asked to reach in and pull out a ticket. The first prize ticket is drawn. It is held until all other prizes are pulled then announced last. This ensures that everyone would have had a chance to win the first prize. After the Raffle is drawn, the prize winners are contacted on how they can collect their prizes. The winners are also placed in the daily news paper. Sponsors/Donors are sent formal thank you letters and a report on the results of the event is completed and presented to DAC. ❖❖A IS FOR ANCHOR! by 2015-2016 PI Anchor Coordinator Janice Yielding

A IS FOR ANCHOR!!!! I am always overwhelmed by the foresight of Pilots in 1952 who founded the youth division of Pilot, Anchor Clubs. How blessed we are to have the opportunity to share service projects with young teens throughout the world through Anchor! These ladies in 1952 saw that the future of Pilot was to instill in local youth the means for service. This continues today in so many different ways. Sponsoring an Anchor club in your area helps to keep your club in contact with the youth while providing an opportunity for mentoring these youth. Working with young ladies in our local Anchor club has given me a new perspective on ways to serve. Their ideas for service combined with their energetic spirit help to inspire me as a Pilot to serve even more. During one of our recent Anchor service projects, I watched as several Anchors learned how to help children with special needs paint a picture of a pumpkin. The interaction of friendship and love between the students and Anchors was tremendous. After our activity, Anchors discussed the problems they faced while working with the students and how touched they were by the joy the children had over such a simple task. It gave the Anchors insight into the difficulties and joys faced by teachers who work with special needs children. Guiding our youth to become more community minded while serving others not only helps to ensure the future of Pilot, but also the future of our nation as well. As Pilots, we need to be open to new ideas from our Anchors and learn to blend them with our ideas of service. Fresh ideas keep us from being stale and stuck doing the same activity the same way. How often do we rearrange furniture or change the way we wear a certain outfit? Small changes may produce tremendous success as well as new ways to serve. Through Anchor, we are building the leaders of our community as Anchors work hand in hand with Pilots. If you do not sponsor an Anchor Club already, I encourage you to do so. It is very easy. Family members of Pilots, local high schools, and local neighborhood youth are great resources for future Anchors that are willing to serve. Anchor members also have parents who could be perspective members for local Pilot clubs. Great opportunities abound for gaining new members through Anchors. Sponsoring an Anchor Club helps Pilots to “DO MORE, CARE MORE, BE MORE!!!”

❖❖SHARING IDEAS MAKES OUR PILOT EXPERIENCE BETTER by 2015-2016 PI Projects Coordinator, Suzanne Lester

THERE’S ONLY ONE CORNER OF THE UNIVERSE YOU CAN BE CERTAIN OF IMPROVING, AND THAT’S YOUR OWN. Pilot Clubs are very kind and loving groups. They are quick to offer a helping hand and cheerful support. When it comes to sharing, we never hesitate, because we are not competing with one another; we all want everything ‘Pilot’ to be successful everywhere. Not every idea or project will work for every Pilot Club. But if something works for one club, consider sharing a concept with another club in another area, state or district. And also share with me. We share the same focus of community service and the initiatives relating to traumatic brain injury and brain safety. Pilot International offers a plethora of helpful information to share among Pilot Clubs and Districts. Read about a couple of ideas in this 2016 Winter issue of THE PILOT LOG! It is heartwarming to travel and meet Pilot members and hear about their projects. If your club has an idea that you would like to share, let me know, and I will attempt to collect and chronicle your good ideas for others’ future consideration. With your help, this small project may turn into an entire directory of ideas that could jump-start a club looking for a fresh idea. Why is this important? Each time we complete a project, we learn what works and what could be improved, so your shared experience could save a Pilot Club or District valuable time, effort and money. Plus, project-sharing is a simple idea that reflects Friendship and Service within our Pilot world. Your shared project could possibly even be improved by sharing it or it could take on a new slant with input from others. When it comes to Pilot, we are just better together than alone. Two brains are better than one. “Brains first and then Hard Work.” A. A. MILNE, British author I’d love to hear from you, so please e-mail me anytime at LES1612@aol.com. Enter Pilot Project Idea in the e-mail subject line, for my prompt reply. Let me add your project to the Project Directory of Great Ideas. As your Pilot International Projects Coordinator, your ideas, comments and communications are welcome anytime. I am proud to serve you.

Happy New Year! PILOTLOG WINTER 2016 | 31
