COVID-19 UPDATES TO SPONSORSHIP AND SUPPORTER INFORMATION COVID-19 has affected all industries, including the ability to safely meet in person. AHA has worked with the Hot Springs Convention Center to revamp the 2022 Annual Meeting. Instead of three days, the meeting will be two days. And, instead of offering all of the concurrent sessions we are known for, we are limiting those as well. After reviewing all options for a Trade Show, we were unable to develop a set-up that would be beneficial for both exhibitors and attendees while keeping everyone safe. Therefore, we will not host a Trade Show as part of our event. As you may recall, the 2021 Annual Meeting was cancelled and benefits were offered to sponsors and registered exhibitors to transfer their support to 2022 or maximize their presence with AHA members via social media, AHA's website, AHA's magazine, etc. We continue to enhance and refine the social media deliverables and provide benefits to sponsors and supporters based upon us moving forward with the in-person format for the Annual Meeting. Within this new context we want your company to be part of our event; however, some levels may be sold out due to sponsors transferring their support from 2021 to 2022. Please review the information enclosed and note that all levels of support have limited numbers available this year. These will be offered on a first-come, first-served basis, so be sure to get your registration and payment in ASAP to reserve your spot.

SPONSOR/SUPPORTER RULES & REGULATIONS Attendance is not guaranteed until full payment is received.

IMPORTANT REMINDERS

If you do not receive a confirmation letter from AHA, your company is not registered to participate. When registering, please fax or mail, do not email, the registration form. AHA's server does not allow for certain types of attachments to be received, and your form may be lost.

1. PURPOSE The AHA Annual Meeting is sponsored by the Arkansas Hospital Association, a not-for-profit corporation. The purpose of the Annual Meeting is to provide educationally oriented services to the health care field, its personnel and related associations; to offer a forum for the exchange of information on health-related issues, skills and technology; and to promote effective two-way communications between health care providers and suppliers of related products and services. The terms “AHA” or “Association” used in these regulations shall mean the Arkansas Hospital Association, and, as the context requires, its employees acting for the AHA in the management of the Annual Meeting.

2. REFUNDS AND CANCELLATIONS If written notice of cancellation is received by the Association prior to July 1, a refund less a $200 administrative fee will be made. After July 1, no refunds will be made and the outstanding balance will be due the AHA. 3. SPONSOR/SUPPORTER HOUSING A block of rooms has been reserved at the Embassy Suites by Hilton Hot Springs Hotel & Spa (adjacent to the Hot Springs Convention Center), the Annual Meeting headquarters hotel. The hotel room rate of $139 is single or double occupancy. Each supporter is responsible for making his/her own room accommodations. The telephone number is (501) 624-9200 or 1-800-EMBASSY.

4. REPRESENTATIVES Each company will name one individual to act as its authorized representative for all decisions regarding attendance at event. All attendees must be bona fide employees of the company or representatives who receive commission, brokerage or salary from the company. False certification of individuals as representatives, misuse of badges or any other method or device used to assist unauthorized persons to gain admission to the event will be just cause for expelling the violator from the event without obligation on the part of the Association for refund of any fees. Upon the exercise of this authority by the Association, the representative, for himself, his employees or his agents, waives any rights or claims for damage against the Association arising out of enforcement of this paragraph.

5. PRESENTATION OF PRODUCTS AND SERVICES The purpose of the Annual Meeting program is to further the education of health care professionals. The consummation of a sale, be it cash or charge, throughout the duration of the event is expressly forbidden. Contacts, however, may be made for future discussion of sale and delivery of products and/or services. The method and manner of sale shall be proper, and any sponsor/supporter shall be subject to eviction, without refund, if his sales procedure is objectionable. 6. IRREGULAR ACTIVITIES In keeping with the nature of a health care professional meeting, undignified promotional methods and/or materials considered to be objectionable by the AHA are expressly prohibited. To ensure the quality of the meeting any uncommon promotional techniques should have prior AHA approval. 7. SOCIAL FUNCTIONS Any sponsor/supporter wishing to host a social function during the Annual Meeting must do so with the approval of the AHA. No social functions, however, will be permitted during educational sessions. 8. RULES ARE A PART OF THE AGREEMENT These rules and regulations are to be considered as a part of all agreements. The AHA reserves the right to interpret them as well as make final decisions on all points which the rules and regulations do not cover. 8
