FAM TOURS & SITE INSPECTIONS If you have never been to Branson, or haven’t visited in a few years, a FAM Tour or site inspection may be the best way to familiarize yourself with what we have to offer your special group. The Branson/Lakes Area CVB offers information on scheduled familiarization tours (FAMs) planned at different times throughout the year. However, if you want to plan your own preliminary visit to Branson for a personal site inspec-


tion, the Branson/Lakes Area CVB will provide information and contacts for you to arrange your own itinerary of exciting activities. In 2015, the Branson/Lakes Area CVB will host our 7th Annual Professional Travel Planer FAM Tour, April 14-17. We will host our 9th Annual Music Directors FAM Tour, June 16-19, and our 11th annual Military Reunion Planners Conference FAM Tour, August 3-6. GROUP RECOGNITION AT SHOWS To add that special touch and to demonstrate appreciation to groups, most of our shows will recognize groups during intermission at area shows. Branson honors veterans’ every day and many of our shows will recognize the men and women who have served our country too! ENTERTAINERS BID FAREWELL At the end of the show, many entertainers will “hop on” the motor coach to say goodbye and sign autographs. The Branson/Lakes Area Convention & Visitors Bureau is your ticket to planning a successful reunion in Branson. These 10 tips have been developed to help you in your planning process. Planning your reunion well in advance will give you enough time to take care of all the details involved. An activities-timeline can be a helpful tool, ensuring all your plans are in place. 1. DETERMINE THE PURPOSE. If the reunion is to bring together people who have not seen each other for many years, the activities you plan may be quite different than those for a family whose members actually see each other yearly.

2. DETERMINE ATTENDANCE AND SET THE DATE Dates for the reunion should be confirmed at least a year in advance to allow members to plan for vacation time and save money for the trip. Send out “Save The Date” notifications. If people are traveling a considerable distance to attend, it is a good idea to take several days for the reunion or at least a long weekend. And remember, no date is going to be perfect for everyone, so develop a consensus. 3. DETERMINE BUDGET. Determine costs incurred by the group (i.e., catering or group meals, facilities

rental, postage, etc) and divide among the participants. Some reunions charge a “registration fee” to cover incidentals. Make sure that you specify exactly what is and what isn’t included in the fee when you send out the invitations. You will want to set a due date in advance (a couple of months at least), for a percentage of the fee to be sent to you. This will also help solidify the guest list. Keep good records, keep in touch and stay within the set budget. 4. complimentary services is the opportunity for you to gain bids for lodging, dining, ticketing and planning services and more for your reunion. The CVB will help you prepare an RFP (Request For Proposal) and will send it to all properties that can handle your particular type of reunion. All you need to do is provide the information, then sit back and wait for the bids to come to you. Many other services and helpful hints are available at www.ExploreBranson.com (RFP form is located on page 47. 5. SELECT LODGING AFTER RECEIVING RFP RESPONSES. Branson has many great lodging and camping facilities available from valuepriced motels to lakefront resorts and luxury hotels. Many of the properties are open year-round, so you may be able to save money if traveling off-season. When booking your lodging, ask the reservationist if your group size qualifies for a group discount. Consider whether your reunion would like a hospitality room, banquet room, catered meals onsite, and/or a restaurant on-site or within walking distance. Upon making reservations, request a confirmation letter from the lodging property spelling out all the details to avoid surprises. The letter should include dates, number of people, price per person, cancellation terms, and any other pertinent details. Review it thoroughly before signing and discuss any questions right away. Feel free to contact the Branson/Lakes Area Convention & Visitors Bureau if you have any questions. 6. SELECT COMMITTEES TO SHARE THE WORK. Not only does this help spread the responsibilities, it also allows people to feel part of the effort. Some suggestions are: • Accommodations • Meals • Activities • One main event • Publicity within the group and invitations • Specialty items such as group T-shirts, memory books or other items.

7. PLAN ITINERARY. Plan activities the members can enjoy together, while also allowing some “free time” for visiting and enjoying Branson’s surroundings. Branson offers many venues which are group friendly activities such as lake cruises, theatres, dinner shows, and outdoor adventures. Consult the listings in this planner and you’re sure to find something for everyone. You may want to plan an opening ceremony or do a casual meet and greet; it’s up to you. You’re sure to find the ideal location in the Branson/Lakes Area. 8. PLAN MEALS. For your banquet, welcome reception, farewell brunch or any group meal function, find out in advance about any special dietary requirements for anyone in your group. Branson offers a wide range of dining choices from fast food to fine dining. Buffets can be a great way to accommodate a variety of tastes. Determine how many meals you will eat together: Which meals are “on own” and which group meals can be included in the “registration fee.” Decide if the meals will be banquet, buffet or reception style; a mixture of these options is usually a good idea. When making reservations at a restaurant for a large group, request a letter of confirmation that spells out the details, and budget for gratuities. 9. NOTIFY ATTENDEES. Once you have decided on an itinerary, it’s time to send out more detailed invitations. Do this well in advance (six months or more to a year) and also send a reminder several weeks before the occasion. Include dates, accommodations,

a preliminary itinerary, contact person with phone number, all costs, payment procedure, directions, and what clothing and equipment are appropriate. ENLIST ASSISTANCE Retain the committees throughout the event so that one person does not have to take care of all the details. Delegate tasks before the event: Set-up, Cooking, Clean-up, Picture taking, and other tasks. Depending on the complexity of your reunion, you may want to meet with the committees each morning to be sure all arrangements have been completed. As the event approaches, remember to always be prepared. Have a contingency plan for inclement weather; provide extra sunscreen, simple first aid materials, snacks, and other needs. Most importantly, reunions are for everyone to enjoy and the Branson/Lakes Area Convention and Visitors Bureau can help you do just that. THREE PRISTINE LAKES The Branson/Lakes Area is well known for its three pristine lakes: Table Rock, Taneycomo and Bull Shoals. Water sports enthusiasts can swim, water ski, wakeboard, tube, boat, sail, scuba dive, jet ski, parasail, kayak and, of course, fish. The lakes’ waters never freeze, welcoming visitors’ activities year-round. All three lakes offer resort lodging, camping and picnicking facilities and easy access to the water at a number of public marinas and boat docks/launch areas. Several commercial docks offer fishing guide services and a wide range of boat rentals, including ski boats, pontoon boats, bass boats and wave runners. Many of the resorts on the three lakes offer guide service, rental boats, snack bars and private dock facilities for visitors’ boats as well. TABLE ROCK LAKE Accessible from multiple public and privately-owned locations just minutes to the west of Branson, Table Rock Lake has been delighting visitors and residents alike since it was formed by the damming of the White River in 1959.

While visitors can find dozens of places to stay and play along the banks of Table Rock Lake, the area’s commercial developments have placed a high priority on preserving the scenic beauty of the Ozarks’ natural shoreline, bluffs, forests and wildlife. LAKE TANEYCOMO Accessible from many points, including downtown Branson, Rockaway Beach, Forsyth, Powersite, Hollister and the Fall Creek area, Lake Taneycomo was formed with the completion of Powersite Dam in 1913. It was originally a section of the White River, and although Taneycomo is now technically a lake, it retains the look and feel of a river. When Table Rock Dam was completed at Taneycomo’s headwaters in 1959, the nature of the lake changed. Taneycomo’s water now comes from the bottom of Table Rock Lake, making it a cold water lake. The cold, clear water, stocked annually with approximately 750,000 rainbow trout, makes Lake Taneycomo a world-class trout fishery.

Resorts and full-service public marinas offer canoeing, kayaking, paddleboarding, fishing boats, motorboats, guides, tackle and pontoons for relaxing and fun-filled lake activities. BULL SHOALS LAKE Bull Shoals begins where Taneycomo ends and flows eastward from Forsyth into Arkansas. Bull Shoals Dam, the fifth largest concrete dam in the United States, is located approximately seven miles north of Cotter, Arkansas. The lake’s shoreline has gone relatively undeveloped and features steep bluffs and rock ledges. The lake has many areas within 20 feet of the shoreline measuring 50 feet deep or more. Its crystal clear water makes the lake an ideal spot for scuba divers and swimmers. Light tackle and line are the best choice for anglers. Bull Shoals also provides a variety of public access points and a selection of quaint fishing lodges that offer privacy and a chance to explore surrounding Ozark Mountain scenery at its finest.
