Purpose:
To assist with ensuring that the administrative processes are carried out efficiently and effectively so that the Community can provide support, work and personal development opportunities for the vulnerable adults we support with learning disabilities, mental health and complex needs.
Salary:
£17,940 pro rata to £7,654 for 16 hours per week. NB: This is based on £9.20 per hour which rises to £9.50 in April 2022
Hours:
16 hours Monday to Friday. NB: Working days and hours are flexible

Who are we looking for? •
You’ll have good administration experience, with a high level of accuracy and commitment.
•
You have knowledge and experience of the Microsoft suite of produce (exel, word, powerpoint etc) at intermediate level.
•
You’ll be a good communicator with great literacy and numeracy
•
You’re open to ensuring all administration duties are complete in a timely manner
•
You enjoy working in a fun team who are very supportive of each other.
•
You the sort of person that’s happy to take on differing duties or extra responsibility when required.

A bit about us: We’d love you to join our fantastic and dedicated team to be part of the community, working closely with the people we support. We’re quite unique: our 1,000-acre estate has multiple living accommodations but loads of additional features. There’s a village shop, café, supported homes, a walled garden, woodworking and creative studios, a lego studio, massive greenhouses, a 200 seater theatre and stunning scenery at every turn. Many of the people we support have been with us for many years. Our longest resident, June, has been living at Botton Village for 50 years. We are a charity and have been in existence for almost 70 years.

Duties and Responsibilities: 1.
Acting as a front-line point of contact for the community and a key contact for residents, families and visitors, including; o making and receiving telephone calls o greeting and welcoming visitors o taking bookings for events and meetings, ensuring meeting rooms and venues are prepared and equipment is available, for external visitors and staff from other communities and locations.

Providing general office administration support to the Registered Manager and other departments within the community, including; o ordering stationery, equipment, PPE and cleaning supplies o ensuring photocopiers and printer issues are dealt with o preparing agendas, taking notes/minutes of meetings, typing routine correspondence and reports, distributing agendas and papers o dealing with post o General administrative and IT support within the community

Undertaking administration and secretarial support as and when required for other departments and communities, acting as a point of contact for staff and volunteer queries; referring them on to the appropriate communities or central departments; including the Trust Office, HR, finance, marketing and fundraising. Supporting staff to complete and submit appropriate paperwork; manually or electronically to appropriate departments.

Setting up and maintaining accurate records for the community, and ensuring that renewals of certificates and documents are obtained in a timely manner; such as; ensuring residents TV licenses are renewed, fleet vehicles are serviced, MOT’s are valid and taxed up to date annually, that repair arrangements are made, and mileage records are collated and maintained.

Ensuring relevant contracts are accurate and up to date for contracts; such as waste management.
6.
Providing admin support to managers and team leaders for recruitment, training and induction of new staff, such as; putting interview packs together and training and induction handouts.
7.
Providing admin support for service inspections, from the local authority and CQC and internal audits.
8.
Completing purchase orders on Ebis and responsibility for monitoring the community petty cash.
9.
Providing Systems support for other staff within your knowledge, acting as a champion for Microsoft and office 365 products (Word, Excel, Teams, Sharepoint and one drive) and other systems platforms within the organisation.
10.
Undertake such other tasks as required individually or with others to develop and maintain the high quality of service required to fulfill the vision of the Community, for example by actively participating in team meetings and relevant training.
