A warm welcome to the Spring newsletter to all of our colleagues, customers, and those who work in and around our communities.
It has been a steady start to 2024, and this has allowed us to review our support teams and deliver a considerable amount of added value and educational experiences. The importance of every colleague regardless of their position is a fundamental part of our values.
Passion, Determination and Leadership are key messages of motivation and success that have seen us continue to develop and set new standards of service excellence. Although there is always work to do…
A few words from
Neill Catton, CIS Managing Director
This month we celebrated International Women’s Day and reminded ourselves that racial discrimination has no place in our workplace or society. I am proud of the work we are all doing to encourage women and young, diverse talent into the security industry. Another success has been our focus on identifying and promoting our existing, talented people. Seeing our colleagues grow and be successful is truly inspirational!
I am sometimes asked by people if CIS is the same company we were 5 years ago. My answer is….No, we are far better than we were 5 years ago…! This is due to our excellent people, unparalleled level of support and our motivation to be the best we can be each day.
To all our teams, keep pushing boundaries and don’t accept average. I would like to wish all our colleagues, customers and communities a peaceful Bank Holiday weekend.
Neill

Our tax year 2023/24 has now been completed and P60’s have been emailed to each employee’s personal emails. Please ensure you check your inbox and also your junk folder for this document.
It is important you keep your P60 safe and any tax queries you might have. You can direct these to HM Revenue & Customs. You can call them on 0300 200 3300 quoting reference 961/9918805, and they will be able to assist you with your query.
PAY QUERY PROCESS
The Payroll Department is still receiving numerous employees pay queries via the incorrect route.
The correct way to raise a pay query is via our Timegate portal. We prioritise queries which come our way via this route; queries received via email or phone will be dealt with upon our review of all outstanding ones in Timegate first.
Scheduling queries need to be discussed between collegues and their direct Line Managers as all the scheduling is done on site.
Around the 20th of each month, you would have received an email reminder to check your Timegate diary and raise any queries by the last day of each month. If this deadline is not met, any discrepancies can only be processed with the following month’s wages.

Q&A WITH OUR PAYROLL & SYSTEMS ADMINISTRATOR SIMEON
Simeon Obigbesan Payroll & Systems Administrator
Tell us a bit about yourself?
My name is Simeon. I am a hardworking and dedicated individual who is passionate about learning and growing in my professional career. I always strive to do my best and be an asset in anything I am doing. In my pursuit of a balanced lifestyle, I like taking leisurely walks and viewing nice sceneries. These moments provide me with a sense of tranquillity and help me maintain a clear mind amidst the daily stresses of life.
Tell us about your job role?
As a Payroll & Systems Administrator, my primary responsibilities are dealing with pay queries, engaging in emails, ensure to calculate and input the correct wages and deduction in our Payroll System. Additionally I deal with ECAFs (Employee Contract Amendment Form) and assist in any ad-hoc task that may come up.
What is your proudest achievement whilst working at CIS Security?
One of my proudest moments during my time at the company was when I identified a crucial mistake in a payroll template that had been used for several months.
Despite the form being reviewed and approved by multiple team members, my diligence and attention to detail allowed me to catch the error that could have resulted in misunderstandings.
Upon discovering the mistake, I informed my supervisor and provided a detailed analysis of the issue. Together, we worked closely to rectify the error, ensuring that all affected employees received accurate pay adjustments and that the corrected form was implemented immediately.
This achievement not only demonstrated my commitment to accuracy and thoroughness but also highlighted the importance of continuous improvement and vigilance in our processes.
How do you influence your colleagues around you and the wider business?
I understand the importance of leading by example and fostering a positive work environment. I maintain open lines of communication with my colleagues, actively listening to their concerns and provide support whenever possible. Through my dedication, attention to detail, willingness to learn and professionalism I inspired for others to do the same.
Accuracy and compliance are important, therefore I make the effort to correct any mistakes. If I notice a colleague deviating from standard procedures or making mistakes, I respectfully address the issue and provide guidance on the correct way to proceed. By setting an example of commitment to following procedures and promptly addressing any deviations, I aim to foster an environment of accountability and attention to detail within our team.

MENTAL HEALTH TRAINING AND THE WOMEN’S SAFETY SEMINAR.
During International Women’s Day CIS in collaboration with the Gilbert held a Mental Health Training Seminar and a Women’s safety seminar. It’s important that everyone is aware that women face unique challenges, including societal pressures, gender-based violence, discrimination, and unequal access to resources. These factors can significantly impact their mental health.
It’s important to focus on women’s mental health to ensure they have the support and resources necessary to cope with these challenges and maintain their wellbeing. It is also important to encouraging women to speak out against violence and harassment and providing avenues for reporting and seeking support are critical steps in promoting their safety. This requires creating environments where women feel empowered, believed, and supported when they disclose experiences of violence or abuse.
By addressing the unique challenges women face and implementing policies and programs to support their mental health and safety, we can create a more just, inclusive, and prosperous world for everyone.
Ana Burke. Security Supervisor at The Gilbert and One Lackington stated:
“I have been working in the private Security industry in London for 14 years now. Before that, I gained some certificates in Police Science and Criminalistics in South America where I also worked at the Metropolitan Police for a year before moving to England.
In the short time that I have been with CIS, I can only say that so far, I am proud of being part of the development of the Security department which we started from scratch. I have helped this amazing team develop and grow to what we are today.
I am inspired by Amelia Earhart, Viginia Woolf, Margaret Thatcher, Evita, Mother Maria Theresa, Joan of Arc, Boudicca, Artemisia, I could carry on and on.

GOOD FEEDBACK BEHAVIOURAL DETECTION (TO CATCH A HOSTILE) TRAINING
Earlier this month, CIS Specialist Behavioural Detection Specialist Trainer, Simon Riley BA (Hons) delivered a 2-day Behavioural Detection (To catch a Hostile) training for our client & some team members.
Everyone that attended the course loved it. It was great to get some fantastic feedback was very rewarding to receive our client feedback as below.
Client stated:
“I would just like to say a huge thank you to CIS and especially Simon for delivering such a highly motivating and engaging course. The knowledge and skills Simon shared around identifying suspicious behaviours was very insightful and opened my eyes to a whole other world that I wouldn’t normally pick up on in everyday life. I thought that the best part of the course was allowing us to put all our learning into action by going to identify suspicious behaviours in 3 different locations across the City, it was a fascinating and thrilling experience.
I would highly recommend the ‘Behavioural Detection’ course to anyone and everyone, if everyone is aware of suspicious behaviours and have the confidence to report it, it would have a huge effect on the crime rate overall.
I would also like to say a huge thank you to CIS & Simon for this great opportunity and look forward to hosting the next one specially when occupied with key clients who also can benefit from this, and other great initiatives CIS have on offer”

They have both demonstrated great willingness and a can-do attitude making ours and our clients lives easier.”

In our recent project at Docklands, we undertook the replacement of the existing intercom system with new equipment, including new panels, handsets in each flat and a screen in the manager’s office. While this presented challenges in gaining access to the flats, our detailed project plan allowed us to streamline the process effectively.
In addition, we also installed a 4G router, this addition facilitates the intercom to be online, enabling Bank of China branch manager, to remotely log in from anywhere within the building and allow access remotely where required. Currently, we have just had approval to enhance the system by installing strike locks on another side of the block - this will provide convenient access from all external doors, further improving usability and security for the residents and staff.

ALMACK HOUSE
Almack House, a multi-tenanted office space.
For this project, our team supplied, installed, and commissioned a life safety, Refuge System. Opting for the robust Baldwin Boxall OmniCare system, we situated the main panel in the control room. The system was designed in line with BS5839-9:2021 standards. To ensure continuous operation during power failures and prevent panel overheating, backup batteries were installed in a separate enclosure. Following commissioning, full training was provided to all on-site staff members.
Following the successful completion of this project, we’ve been approached for additional services. Including providing a quotation for a disabled toilet alarm system, and maintenance packages for various security systems already deployed on site.

ONE LONDON WALL
One London Wall, is a multi-tenanted office space. Collaborating with our suppliers and fabricators, we designed a custom shutter with a pedestrian entrance controlled by access control – reader in and push to exit out. Our scope of works involved removing the non-functional existing shutter and installing the new one in its place, requiring the use of a MEWP.

PRS FOR MUSIC
PRS for Music’s head office in Hay’s Galleria, London Bridge is one of CIS’s longest standing sites and regularly receives upgrades to its security systems. The most recent of these was a ‘Swipe-In’ reader solution.
PRS for Music’s head office in Hay’s Galleria, London Bridge is one of CIS’s longest standing sites and regularly receives upgrades to its security systems. The most recent of these was a ‘Swipe-In’ reader solution.
PRS for Music needed a security system solution to assist them with tracking their office usage, particularly in identifying the numbers and identities of staff using the office versus those working from home. To facilitate this function, we installed a ‘Swipe-In/Swipe-Out’ reader adjacent to each lift, with signage informing staff to use their existing access card to badge the reader at the start and end of each day. These readers then connect to the existing Lenel database, which can then be checked to verify office attendance.

30 FLORAL STREET
30 Floral Street’s underground car park has recently been taken over by JLL. It was previously maintained and monitored under the provider for the larger Shaftsbury portfolio, however with JLL taking over the car park, CIS Innovative Solutions we’re approached to provide these services.
The CCTV system comprises of 3 External Cameras, 8 Internal Cameras, and 4 Lift Cameras. These have been connected to the CIS Security Operations Centre to be remotely monitored, with AI Analytics programmed to flag extended presence within the lift. This allows swift assistance if somebody is trapped. Part of the upgrade requirement was to install a new CCTV NVR and monitor. The fire alarm monitoring has also been taken over by CIS, with network infrastructure added to allow connectivity to a new BoldNet device.
The handover of the system required close co-ordination between Innovative Solutions, JLL, the Fire Alarm maintenance provider, and Shaftsbury Estate. New cameras needed to be installed by the estate to cover any areas previously covered by 30 Floral Street’s cameras, and the installation and programming of the new CCTV equipment needed to take place on the same day to prevent any downtime.

IS YOUR FIRST AID BOX OUTDATED AND TIRED?
First aid kits are an important item for any workplace be it static or mobile, such as in a vehicle. Why is it important to regularly check the contents of your kit and how often should you update it?
What to put in a first aid kit
The contents of your first aid kit should be based on your first aid needs assessment (see The next step ). As a guide, where work activities are low risk, e.g. desk-based, a minimum first aid kit might contain individually wrapped sterile plasters of assorted sizes, wrapped wound dressings, disposable gloves, eye wash and perhaps even a leaf-let with general guidance on first aid, e.g. the HSE’s leaflet “Basic advice on first aid at work”.
TIP. If you are buying a kit look for British Standard (BS) 8599-1:2019 or one for vehicles BS 8599-2:2014. By law, your kit doesn’t have to meet these standards but you should check it contains what you’ve identified in your needs assessment.
Maintaining adequate equipment
To ensure preparedness for emergencies, it is crucial to replace used items in your kit. By doing so, you can prevent essential supplies from being absent when they are most needed. Discovering that a necessary dressing or item is missing during an urgent situation can be highly frustrating and potentially detrimental. Replenishing your kit promptly after utilising its contents is essential to maintain readiness and avoid any unwelcome surprises in times of emergency.
It can be tempting for staff to raid your first aid box for non-work related issues, such as replacing plasters on blisters, taking burns dressings home for treatment against injuries caused by hobbies such as welding, etc. It’s therefore essential to ensure your first aid box is well-stocked at all times.
Tip. Protect the contents of your box by tagging the handle. Breakaway security tags keep the contents secure from illicit raids and ensure that the contents are easily ac-cessible when required.
Replacing contents of a first aid kit
Regularly check your first aid kit to ensure its contents are up to date. Many items, particularly sterile ones, have expiry dates and keeping them past that date can be un-safe. Dispose of any expired items safely and replace them.
Similarly, for non-sterile items without dates, assess their suitability for continued use. Items that expire include plasters losing their adhesiveness and/or sterility, bandages can deteriorate as can gloves and sterile wipes can dry out over time.
Tip. Check the expiry date on your first aid products, write the dates down and then stick a reminder in your diary. If you’ve tagged your kit you won’t need to open it to check the level of supplies. For our First Aid Kit Contents Checklist, see The next step.
How to check the product expiry date? The product label will typically show you the product code, revision date, batch number and expiry date. This is usually shown after an egg timer symbol, telling you the year and month the product expires and when you need to replace your products.
Tip. If a non-sterile product has no expiry date, it’s a question of judgement based on if the product is still suitable for use.
Maintaining an effective and reliable first aid kit requires consistent efforts. By incorporating regular inspections and replenishing supplies promptly after use, you can ensure that your first aid kit is always fully able to meet emergency needs.

Note. This list is based on the current HSE advice for low risk environments, as well as additional points to cover coronavirus risk. The HSE’s advice is set out in Appendix 2 of the Approved Code of Practice (ACoP) that supports the First Aid at Work - Health and Safety (First Aid) Regulations 1981 (Ref L74). British Standard: BS 8599 recommends additional equipment to be stocked in first aid kits. However, although many suppliers are stating that existing kits are out of date and must be replaced, this isn’t the case. If your kits are sufficient for your needs following your first aid needs assessment, you are compliant with the ACoP.
