Workday Project Full Speed Ahead
With the official project kickoff a little over a month away, the Workday project team is already hard at work getting things moving forward.
Workday is a cloud-based enterprise resource planning (ERP) system that will replace our current legacy Banner system. By implementing Workday, Miami will transform how it delivers essential business services and provide seamless end-to-end experiences for faculty, staff, and students.
According to Miami’s Senior Vice President for Finance and Business Services, David Creamer, Workday will be a perfect replacement for Miami. “The Banner finance system has not kept pace with the many enhancements that modern finance systems provide to organizations today. Too much time and money are being spent on the integration of other software products or workarounds that the Workday finance system will eliminate.”
The technology that drives Workday also makes it an appealing addition to Miami, Vice President for Information Technology and CIO, David Seidl notes, “It's exciting for a lot of reasons - as an IT person, it lets us focus on value-added work instead of maintaining the guts of an ERP. It will empower folks across the institution - Workday builds in a lot of easy access to underlying data allowing
that data to be leveraged effectively right away by those who need it the most. It also really puts an emphasis on what we're calling ‘leading practices’ - patterns, workflows, and processes that have been broadly successful across many organizations around the world. Unlike our Banner implementation in the late ‘90s where we hauled mainframe-era and Miami specific practices into the implementation, this time we'll be focused on those leading practices to help us be better and more efficient.”
Seidl also noted the importance of the timing with regards to making the transition to Workday. “We've been carefully watching the market for a few years waiting for this moment. While cloud ERP vendors had mature finance and HR modules, student modules built for higher education were trailing. At the same time, our existing technology was becoming dated and wasn't meeting our needs - so we knew our moment was now!”
Creamer agrees that a change was needed, and sooner rather than later. “Ellucian is in the early stages of taking its Banner product in a different direction to compete with software as a service product like Workday. Instead of this change being forced on Miami by its current vendor, Miami is able to control when and what product it will implement and to receive the benefits of an improved system much sooner.”
At the beginning of this month the project moved from Phase 0 into the beginning stages of implementing the Platform part of the system, which includes HR, Payroll, and Finance capabilities. This first part of the deployment will be going live in July 2024, and that will be followed by a phased student implementation slated for completion in 2026.
Although the student portion of the project is not beginning until 2024, members of the university community are very excited about what it will bring. “This system has the potential to be more user-friendly for important student-facing tasks such as accessing their information, requesting transcripts and other official communications from the university, registering for classes, and accessing their Degree Audits,” Associate Provost and Dean for Undergraduate Education, Amy Bergerson notes.
Bergerson agrees with Seidl that Workday will also allow Miami to improve our current processes. “Implementing the system allows the university to streamline processes at every level, which will ultimately allow us to control costs around these types of student interfaces.”

CAMPUS BEAUTIFICATION
You all may notice folks with shovels and vehicles full of dirt zipping about. These are groundskeepers edging flower beds. Part of what makes our campus beautiful, are cut flower beds and tree rings, that seem to pop out as we go by. This is hard work that even with machines, tightens up the back. So take note of the beds and blooms that are about to spring. So much beauty is well earned.
PROJECT UPDATES
Finance and Business Services Marketing Team
The Rec Center and Goggin both received some cosmetic upgrades over the last couple months.
FBS Marketing’s team worked with both of the Pro Shops to create a refreshed look for both spaces. Take a look!
APPROVED DRIVERS FOR UNIVERSITY VEHICLES
The safety of students, faculty, staff, and our communities is a primary focus of Miami University. The operations of Miami University, at times, necessitate faculty, staff, students, and volunteers operating vehicles and other motorized equipment.
The MUPIM Motor Vehicle policy sets forth the requirements for drivers who operate university insured vehicles. Several university departments/divisions collaborated to develop the policy. The intent of this policy is to proactively manage the use of our vehicles, establish minimum qualifications for our drivers, and decrease the number and severity of auto accidents.
Beginning March 1, 2023, only authorized drivers are permitted to drive university insured vehicles. The Offices of Risk Management and Human Resources will jointly administer the policy; and each faculty, staff, student, and/ or volunteer who plans to drive a university-owned or long-term leased vehicle must submit a Motor Vehicle Use Agreement. Upon completion of the agreement, and annually thereafter, motor vehicle records (MVR) checks will be conducted via Miami University's background check provider. Miami University will only consider violations occurring within the past 3 years when determining driver eligibility.
As of 03-09-23, over 550 drivers have completed the process and are approved to drive university vehicles.

March 19-25 was Spring Severe Weather Awareness Week that involved a planned statewide tornado drill. The MUPD asks that Miami students/staff take time to become familiar with and formulate their own plan on how they would handle a severe weather situation. Severe weather can strike at any time, but in southwestern Ohio, the months of April through July see the most severe thunderstorms.
If a tornado or severe thunderstorm poses an imminent threat to one of Miami's campuses, an emergency text message and email alert will be issued. Miami uploads email addresses and cell phone numbers of students, staff, and faculty registered in Banner to their emergency notification tool, e2Campus. That auto-subscribes students, staff, and faculty to Miami's emergency text messaging service. Keep your registered device turned on and close by if severe weather is expected. For more information, visit Miami’s Severe Weather website

Our interns are always eager to tackle new challenges and make a positive impact on our organization. THE MARCUM HOSTS A NEW OPERA
Sometimes things feel outdated, sometimes they are outdated, and sometimes they are both, which is why there is a new OPERA at The Marcum. Get your tickets now!
Oracle's OPERA is the property management system (PMS) used by hotels worldwide such as Marriott, Hyatt, Movenpick, and The Marcum to manage guest reservations, check ins/outs, and housekeeping to help provide a pleasant guest experience.
Since 2013, OPERA has served The Marcum and its guests well but its outdated technology requires unique web browser configurations, and access is limited to those on-premise. Fortunately, the opportunity to move from legacy OPERA to OPERA Cloud, a SaaS solution, presented itself and Amy Poppel, Director at The Marcum, seized the opportunity.
Opening night for OPERA Cloud was February 28 at 3 a.m., with no fanfare at that wee hour. The Marcum team is now singing a 21st century OPERA that harmonizes with modern browsers, mobile, access from anywhere, an easy-to-learn user interface, extensibility, and all of the benefits of SaaS. Ultimately, the move to Cloud positions The Marcum to better serve its customers with stable, modern technology now and into the future.
MIAMI DINING HOSTS ACE COMPETITION
Miami Dining recently hosted Aramark's ACE (Aramark Culinary Excellence) cooking competition, where chefs from different universities in the region competed against each other to showcase their culinary skills.
Miami Dining's very own Chef Johnathan Hunt impressed the judges with his exquisite dish and secured the third spot in the competition. The competition was tough, with each chef bringing their unique style and expertise to the table. However, Chef Hunt's dish stood out for its innovative flavors and presentation.
Aramark's ACE competition is known for its fierce competition, where the winner goes on to represent the Midwest region in the national competition against winning chefs from other regions.
Miami Dining is proud of Chef Hunt's achievement and is thrilled to have such talented chefs on the team. The competition was a great platform for chefs to showcase their skills, learn from each other, and build lasting connections within the culinary industry.
MIAMI DINING COMMITS TO EXCELLENCE WITH TRAINING OVER WINTER BREAK
Over the winter break, Miami Dining employees took part in a series of training sessions to improve their skills and learn new techniques. From managers to frontline associates, the entire team is committed to providing exceptional service to their customers, and the training was an important part of that effort.
The training sessions covered a range of topics, including customer service, food preparation, safety protocols, and more. Participants had the opportunity to learn from experts in the field, as well as to connect with team members from other locations and share best practices.
Overall, the winter break training was a great success. The Miami Dining team returned from the break reenergized and refocused, with a renewed commitment to excellence in all aspects of their work. The team's dedication to ongoing learning and improvement is a testament to their commitment to delivering outstanding service every day.
Miami Dining celebrated International Women's Day by hosting our "Meet the Chef" events. Our team was excited to showcase the talent and creativity of two of our AMAZING chefs, Anne Liston and Kathy Baker.
Anne and Kathy are both hard-at-work chefs – planning menus and leading our cooks daily. However, on this day, they were coming out from behind the line to set up a pop-up chef's
experience and cook up some amazing dishes for the Miami community.
We are proud to have such talented chefs as Anne and Kathy on our team. Their dedication to their craft and passion for cooking is an inspiration to us all, and we were delighted to celebrate International Women's Day by showcasing their amazing talent.
The executive chefs at Bishop Residence Hall treated the students to an exciting cooking demonstration that featured dishes inspired by Lunar New Year. The chefs expertly prepared and served the delicacies. The students were left impressed by the chefs' culinary skills and inspired to try their hand at creating their own versions of the dishes!

NEW SUBJECT LINE WARNING ON EMAILS BEGAN JANUARY 30
Starting on January 30, IT Services began implementing a new compliance rule in Google that will tag the subject line of incoming emails sent from a MiamiOH.edu email address that fails the Domain-based Message Authentication, Reporting & Conformance (DMARC) compliance check. The new tag will display as: [DMARC Failure - Notify Sender].
DMARC is being implemented by IT Services to better protect the MiamiOH.edu domain from unauthorized use by phishers and spoofers thereby protecting Miami’s brand. DMARC verification uses information in email headers to verify a sender's authenticity. The purpose of adding this tag is that it will help all of us to identify emails that will fail their DMARC compliance check as we progress towards total
DMARC enforcement. If you receive an email that has the tag [DMARC Failure - Notify Sender] we ask that you notify the sender of the email to let them know that they need to contact IT Services in order to work towards securing their email system.
If you have questions about DMARC you can go to the new DMARC website to learn more.
If recipients of your emails are notifying you that your emails are having the subject line appended with the tag [DMARC Failure - Notify Sender] you can fill out this request form and IT Services will contact you with assistance.
