he theme for this issue is “collaborate”. If I could describe GPUG® in one word, this is what it would be: Collaborate! GPUG Members share experiences during virtual events, Regional Chapter meetings, conferences, SIG meetings, Microsoft conduits, emails, and now through GPUG Collaborate. It’s all about helping your peers!

“How do you collaborate?” I’ll never forget the moment when a fellow Microsoft employee asked me, “Kim, when are you going to realize that you are at the point in your career where you need to pass on your experiences?” It hit me like a brick. I hadn’t given it much thought until then. But that day, it was a career- and life-changing statement. Yes, I had been in the industry for many years and had experiences to share. By sharing these experiences, I could save time and money for others, helping Microsoft and the community grow faster and smarter. Following that conversation, I made it my passion to share and care – a pivotal moment in my career. This is one reason why I love my role at GPUG; it is perfect for me! I feel joy each day helping and watching others help one another! We recently released GPUG Collaborate (http://community.gpug.com), a networking and learning portal. Members can keep up to date with what GPUG has planned, ask questions of fellow Members, post reports for all to leverage, and more. If you have not checked it out, stop reading and go see what you’ve been missing. This is just the beginning of how you can collaborate through GPUG. Our team is also looking forward to collaborating with Members in October at GPUG Summit in Tampa, Florida. We hope to see you there! We also look forward to finding new “voices” within the community to help us in future learning opportunities. Midwest Dental and Mountain Dental Donate Free Dental Care to More than 600 Children in Need Sixty-three dentists and more than 260 staff at Midwest Dental, operating as Midwest Dental and Mountain Dental, provided more than $200,000 in free dental care to more than 600 underprivileged children on Friday, February 1, 2013 as part of the annual Give Kids a Smile Day sponsored by the American Dental Association (ADA). Give Kids a Smile is the centerpiece of February’s National Children’s Dental Health Month, when the dental health community focuses on children whose families may not have direct access to regular dental care. Midwest Dental and Mountain Dental worked closely with local public health agencies, area schools, Head Start programs, nonprofit agencies, and youth and community organizations to identify children in need. “Midwest Dental and Mountain Dental dentists and team members are extraordinarily giving of their time for Give Kids a Smile because they are committed to providing dental care access to all children in the communities we serve,” said Dr. Jeff Moos, chief dental officer at Midwest Dental. “Thanks go out to each and every person who gave his or her time and contributed to improving a child’s oral health and overall health.”

Southeastern Freight Lines Opens New Service Center in Texas Southeastern Freight Lines, a leading provider of regional less-than-truckload (LTL) transportation services, has opened a second service center in Houston, Texas in response to growing business in the region. The new facility, located in South Houston, features 15,000 square feet of office space, a 9,800 square foot appointment warehouse, and 125 dock doors. The facility will provide improved delivery performance

and decreased travel time between centers and Southeastern customers. In addition, the new facility will boast many sustainability features, including a solar panel ďŹ eld that will generate one-third of the facility’s power and a 10,000 gallon rain water harvesting system to conserve water. “By adding this service center in South Houston, we will be even better positioned to provide Southeastern’s quality-without-question service to the local market,â€? said Garrett Elrod, service center manager for Southeastern in South Houston. “Southeastern Freight Lines has provided the Houston market with ‘best-in-class’ performance for many years. news Kathy Kim – GPUG Member, Leader, and Recent MBA! Kathy Kim is one of the reasons why we love what we do. Kathy is a recent addition to the GPUG® Board of Advisors as well as the new leader of the Arizona Regional Chapter. “Overall, I’m excited to have input into the topics offered for the quarterly meeting in a box. For my chapter, my goal is to have a regular attendance of 20 or more Members at our meetings,” says Kathy. “I really enjoy meeting with other Microsoft Dynamics GP Users and having the chance to tap into their experiences with Microsoft Dynamics GP. I also enjoy learning about modules and ISV products that others are using to find out if they might be useful in our organization.” In addition to her leadership efforts, Kathy is the controller for Donor Network of Arizona and a recent MBA graduate! “It wasn’t easy, and I had to sacrifice a lot of time with my husband in order to work full-time and attend school,” says Kathy. “I’m proud to say that I graduated with a 4.0 GPA. I believe that everything I have learned in my position at Donor Network of Arizona contributed to my success while pursuing my degree.” Outside of GPUG and work, Kathy enjoys traveling with her husband in their RV. “In 2003, I was able to telecommute from our RV while we completed a trip to all 30 Major League Baseball stadiums. We are at the grassroots level of launching our SIG, so anyone who attends the meetings can have a major impact on how this SIG takes shape. We will cover the setup options that were likely never covered, how the modules work together, how to easily find the information you need for creating reports or SmartLists, some of the otherwise overlooked functionality gems, and even find out about some free products that can tweak the system in just the right way. I have a great depth of knowledge of Microsoft Dynamics GP with the heart of a teacher, so this SIG won’t be limited to a single topic. ike many organizations in the healthcare industry, Compass Health has evolved as a result of mergers and acquisitions as well as organic growth. Compass Health is the parent company of Pathways Community Health, Family Counseling Center of Missouri, Inc., Royal Oaks Hospital, and Compass Health Wellness. While its roots are in behavioral health, which encompasses counseling for mental health issues and alcohol and drug addiction, Compass is beginning to break out into more traditional areas of healthcare, such as medical and dental. The organization is also working with state agencies in Missouri to look at different ways of lowering the costs of providing services to people on Medicaid. To keep it all running smoothly, two years ago Compass deployed Microsoft Dynamics GP. “It’s our accounting software program that in essence helps us pay the bills, track things, and monitor the company’s financial performance,” says Gregg Gillaspy, the company’s director of financial planning and analysis. Gregg, whose background is in public accounting (he ran his own CPA firm for 15 years) says that numbers are the central theme of his career. They are also the way he describes Compass: The company has more than 1,200 employees spread out among 37 departments, with 45 clinical locations in Missouri, one in Louisiana, and corporate headquarters in Clinton, Missouri. In 2012, Compass served more than 30,000 individuals; most of them were treated on an outpatient basis, but there are some facilities

for inpatient care, including a 41-bed hospital. One of the largest mental health services agencies in Missouri, Compass generates approximately $70 million in annual revenue. Gregg appreciates many aspects of Microsoft Dynamics GP, but perhaps none more so than the specificity it enables. “When you’re trying to analyze by both location and by department, it breaks the data down in hundreds of different ways so that we can look at them in minute detail,” he says. “It was more difficult to do that in the past using a less sophisticated accounting program, but Microsoft Dynamics GP allows us to input all financial activity associated with a particular department and location. Then we can generate reports that show us very specific numbers, delving into the level of detail that differentiates a category like ‘Substance Use – Adult’ from ‘Substance Use – Youth’.” Having the ability to get to that level of detail is important for a couple of reasons. For one thing, Gregg says the numbers serve as a roadmap of sorts for expansion. “If we can tell that a particular department or program is financially holding its own, we’re more apt to approve the hiring of additional people to handle more patients,” he says. “On the other hand, if it’s clear that we’re already losing money for a particular area, we might be reluctant to add staff unless it’s absolutely necessary.” Another area in which specific numbers play an important role is the work that Compass does with state agencies in Missouri. By taking a more integrated and coordinated approach

to treatment, the entities are working to lower the costs of services provided to Medicaid patients. The question Gregg is helping both Compass and the state agencies address concerns combining visits to include both behavioral health issues as well as issues tied to more general health conditions. Specifically, does having a Compass practitioner’s routine for a visit include making sure that prescriptions are being taken properly for conditions outside the realm of behavioral health – such as diabetes or high blood pressure – both increase the quality of overall care and, by reducing the number of patient visits, cut costs? The state will need to make that call, Gregg says, but he’s confident in the numbers that Compass has provided based on pilot projects, which come directly from Microsoft Dynamics GP. Gregg says he sees Microsoft Dynamics GP as a wise investment

made by Compass before he joined the company, and it’s an investment with which he sees a promising future. While the dates aren’t firm, Compass does plan to upgrade to version 2013. But at the moment, one of Gregg’s priorities is organizing and leading a Special Interest Group (SIG) for behavioral health companies that use Microsoft Dynamics GP. Gregg’s main goal in organizing the SIG is to create a forum for sharing knowledge that is relevant and timely. “I am passionate about getting Microsoft Dynamics GP Users from the behavioral health industry together to help each other out,” he says. “It’s important to do that because the solution is very sophisticated, and its capabilities are huge. We’re still getting used to it and everything it can do for us, so we still have a long ways to go.” GPUG

T T & TIPS & TRICKS I’ve Got SQL Code...Now What? by Victoria Yudin

I

post a lot of Microsoft SQL Server® code on my blog (http:// victoriayudin.com/), and one of the most common questions I get when someone is looking for a report and finds my code is, “This sounds just like what I need, but what do I do with it now?” There are many ways of using SQL code that you can find on the various Microsoft Dynamics GP blogs, but one of the most common uses is in a SmartList. To answer the “now what?” question, I have put together step-by-step instructions on how to take code from a blog and turn it into a SmartList. The examples below show SQL Server 2012 and Microsoft Dynamics GP 2013, but the steps are pretty universal across the last few SQL Server and Microsoft Dynamics GP versions. To have an example you can follow along with, I will use code I posted recently to create a detail Receivables aging report: wp.me/pkuMh-1cJ. There are four main sections that we will go through in detail: create the SQL Server view, set up SmartList SQL security, create the SmartList, and set up User security for the SmartList.

Create the SQL Server View This is probably the most challenging step for many Microsoft Dynamics GP Users as they typically do not work with SQL Server and have a healthy dose of apprehension about this. In many companies, this may involve getting someone else to help you. Don’t be scared! The work you need to do in SQL Server is perhaps a few minutes and will be well worth the payoff. To create the view in SQL: 1. Open SQL Server Management Studio and connect to your GP SQL Server. 2. Click on the New Query button from the menu at the top or type Ctrl+N. 3. Copy the SQL code from the blog into the new window that opens. Note that to create a SQL view, the code needs to start with the following: create view view_name as And at the end you will want to make sure you are granting permissions to DYNGRP, a SQL Server role that controls permissions for Microsoft Dynamics GP. That will look like the following: go grant select on view_name to DYNGRP

4. SQL Server typically defaults to the master database when opened, so to make sure you create the view in your Microsoft Dynamics GP company database, click on the drop-down arrow next to “master” and switch to your Microsoft Dynamics GP company database:

5. Click Execute on the menu at the top. 6. You will get a message back saying “Command(s) completed successfully.” 7. If you want to use your SmartList in multiple companies, repeat steps 4 and 5 for each of your Microsoft Dynamics GP company databases.

Set up SmartList SQL Security Before you can use a SQL view in SmartList Builder, you will need to grant SmartList Builder permissions to that view by following these steps: 1. Log into Microsoft Dynamics GP as a User that has proper security access. 2. Open the SQL Table Security window by navigating to Microsoft Dynamics GP | Tools | SmartList Builder | Security | SQL Table Security. 3. Select your company database on the left. 4. Choose Views at the top right.

5. Find the view on the right and select it, then click OK: 6. If you created the SQL view in multiple company databases, repeat steps 4 and 5 for each company database.

5. Check the Use Company Database checkbox if you are creating a SmartList that should run against whatever company the User is logged into (or if you are planning that for the future). 6. Select the company database on the left. 7. Select Views and click on your view on the right. 8. Click on the + sign to the right of Key Fields and add Key Fields – these should be what will make a line on the SmartList unique, in this case it will be the combination of Customer ID, document type, and document number (don’t stress over this one too much if you’re not sure; while one key field is required, this is only critical for some advanced functionality and can be changed later if needed):

Create the SmartList Now that you have the view in SQL Server and you have given SmartList permissions to it, you are ready to create your new SmartList: 1. Open SmartList Builder by navigating to Microsoft Dynamics GP | Tools | SmartList Builder | SmartList Builder. 2. Type in a SmartList ID and Name (the Item Name will default to the SmartList Name; I recommend leaving these the same to avoid confusion). This is what you and other Users will see when running the SmartList, so try to make this as self-explanatory as possible. 3. Choose what Product and Series to put your SmartList in – up to you on this one, the recommendations here would really depend on how many SmartLists you are planning on creating and also each specific SmartList. For this particular SmartList, you could add it to the Sales series, since that is where Users would most likely look for it. 4. Click on the + sign to the right of Tables and choose SQL Server Table:

9. Click Save to return to the SmartList Builder window. 10. Every column in the view will be brought in as a field for the SmartList – and SmartList is even smart enough to remove the underscores from the field names! At this point you can decide what fields to show, change formatting, etc. To simply add all the fields available to the SmartList, you can click on the dropdown arrow next to Default and choose Mark All:

GPUG Collaborate is different because all levels of questions are asked there, going from inquiries about third-party products to some very technical challenges. I’m getting at least as much out of this site as I do from the Microsoft Community site, and I try to give back to GPUG as much as I can. GPUG lives by its Members and for its Members.

I have also been responding to posted questions, which is rewarding. I feel GPUG Collaborate can be a great tool for both new and old Users of Microsoft Dynamics GP.

After testing three options presented on GPUG Collaborate, the best of the three options (purchase a third-party program to merge 15,000 accounts and their related history) was done during a 90-minute trip to the office on a Saturday morning. here are many ways to describe Vonzella Bryant’s approach to her life and her work. She believes in paying it forward. She believes it wouldn’t take but one split second for any of us to end up in another’s shoes. Maybe she believes in karma. Or maybe she just believes. Ultimately, what her method of living and working is called is almost irrelevant because

labeling isn’t a priority, or even a necessity. “I like to help people,” she says. “So I strive to make that a part of everything I do.” For nearly eight years, Vonzella has worked as controller for the General Board of Discipleship of the United Methodist Church. One of 11 agencies that comprise the church’s administrative infrastructure, the mission of Vonzella’s group is to help church leaders with resources such as training events, consultations, and the development of materials ranging from brochures and pamphlets to books to The Upper Room, a meditation magazine that’s translated into several languages and distributed worldwide. While webinars are extending the reach considerably, General Board of Discipleship employees travel across the country and around the world to participate in church events and lead seminars on topics such as stewardship, establishing a youth program, or writing effective program materials. From her desk in Nashville, Vonzella oversees things from a numerical perspective. In many ways, her resume suggests that her entire career has been a preparation for her current position. “I had worked for a United Methodist agency before, so when I saw this opening, it seemed like a great opportunity,” she says. Prior to joining United Methodist, she worked as a CPA in several states, she worked with Microsoft Dynamics GP, and she consulted with many nonprofits. Along the way she earned an MBA, followed by a master of social work (MSW). “That degree taught me to go beyond working with just the financial part and help with the planning and evaluation because I learned about working with and understanding people’s goals and motivations,” she says. That breadth of understanding, she says, is what inspires her. “Some people want to see the caring and

action

MEMBER IN helping side of things, while others want to see that you’re being financially efficient,” she says. “Putting those two things together is very important for any nonprofit, and my goal is to integrate them within the finance area.”

That said, Vonzella does venture out of her own department. “As staff, my colleagues and I get the chance to participate in a lot of the activities that are going on, and we take roles in helping out in the various communities,” she says. In the recent past, she’s participated in a variety of activities including bagging toys, sorting food for holiday baskets distributed by a food bank, delivering Meals on Wheels to a nursing home, organizing a library and a kitchen for an area youth agency, and helping with a survey conducted by The Contributor, a street newspaper that focuses on issues surrounding homelessness and poverty. “What I really like about this job,” she says, “is that there is always an opportunity to do something for someone else.” Vonzella’s dedication to doing for others doesn’t start or stop with her job. She’s on the board of the Urban League of Middle Tennessee, where the mission is to help people get to work. At the Urban League, as well as in her role with the church, her official duty is managing the numbers. But that’s only the beginning. “There are opportunities to help other people regardless of your position, or the organization, or even what you’re doing,” she says, citing a recent company picnic that included a bake sale to raise funds for a summer camp as an example of how people live out various ministries. For Vonzella, the ministry occurs at a very basic, very individual level. “People are bright and smart, and it only takes one opportunity to differentiate us,” she says. “I am helping people now, but five years from now I may need to rely on someone helping me.” GPUG

any Customers need to give their auditors an answer to the question, “Who can get to THIS window?â€? It’s easy enough to see the Roles that a User is assigned to, but getting to the exact windows and reports they will be able to access is a dierent story.

Populate the Security Resource Description Table. Just follow these steps: 1. Click Microsoft Dynamics GP, point to Maintenance, and then click Clear Data to open the Clear Data window. 2. On the top Display menu, select Physical. 3. In the Series list, select System. 4. In the Tables pane on the left, click the Security Resource Descriptions table, and then click Insert. 5. Select OK, select Yes, to clear data (BE SURE ONLY the one table is listed on the right, otherwise select NO). In the Report Destination window, select the Screen check box, and then select OK to send the report to the screen. Close the report. The Security Resource Descriptions table is now populated with your current information.

Although Users can eventually get to the answer by printing and deciphering several reports that show which windows within tasks, within roles a User can get to, there must be a simpler way! ( $% #!$! % ) $ &# %) "!#% $%,

Well, there is an easier solution – and here it is! Microsoft support has suggested these steps and script (that an administrator can run) to ďŹ nd out exactly what roles can get to “a speciďŹ c window or reportâ€?.

Find out the “Display Name” of the Window (or Report) your auditor is requesting: 1. Sign into Microsoft Dynamics GP as a User authorized to open the window/report in question. Pull up the window/report and look at the name displayed in the header of the screen. In most cases (unless someone has modified it), the display name is the one shown. Use that “display name” in step “C”.

5. Replace the last part of the SQL query with the actual Window/Report display name (ie. “Print Payables Checks”). 6. Execute the query by hitting “Ctrl E” or selecting the Execute button to the right of the database name in the screen.

7. The results will display the User Roles with access to the Window/Report. The task ID and Task Name will also be displayed.

OR You can glance through the ENTIRE list of window display names by clicking on Microsoft Dynamics GP, point to Tools, point to Resource Descriptions, and Click Windows to open the Windows Descriptions screen. You can then choose the Series (Purchasing, Financial, etc.) and scroll until you find what you are looking for.

8. To see the list of User Roles for a different Window/Report, just change the last line of the query to the new screen in question.

C. Query the Security Resource Description Table by doing these steps: 1. Go to the SQL Query Tool (Start > Programs > Microsoft SQL Server > Microsoft SQL Server Management Studio). Sign in as a User authorized to run SQL scripts. 2. Click on the button New Query on the top left side of the screen. 3. Select the Company database in question from the database dropdown (it will most likely be displayed as “master” until you select the specific company database). 4. In the white query area type in the following SQL query:

Module Ownership Changes for Microsoft Dynamics GP PART II

I

n the last issue of GPUGŽ Magazine, we featured an update on three Microsoft Dynamics GP modules that are transitioning back to the ISVs who originally created them. The sales, maintenance, and support of Collections Management by Professional Advantage, Extender by eOne Integrated Business Solutions, and Risk Management Suite by Merit Solutions are now all back in the hands of their creators. GPUG recently touched base with all three organizations to ask about the transition and to see what’s coming up for each product.

The Thing About Transitions While all three organizations agree that it’s been good to have their products back “in houseâ€?, they say that the transitions were not as seamless as they hoped. “Since Collections Management has been bundled for so many years, people just see it as an integral part of Microsoft Dynamics GP and don’t realize those windows are actually part of a separate product,â€? says Brent Hitterdal, Microsoft Dynamics ISV manager Want to talk directly to Professional Advantage, eOne Integrated Business Solutions, or Merit Solutions? On the ipside of not knowing they were using a separate product, there were some who thought the products were going away. “There was originally a lot of confusion about what was going on as Partners and Customers thought the products were being discontinued,â€? says Josh Richards, marketing program manager for Merit Solutions. “The biggest learning we had was that we could have done more with the Microsoft support team to try and drive recognition and awareness before the transition date.â€? In addition to any work the ISVs did on their own, Microsoft worked with each of these original equipment manufacturers (OEMs) to distribute announcements on PartnerSource and CustomerSource, but the information was perhaps not as widely viewed as the teams

originally thought, and Microsoft was unable to share Customer information with the OEMs due to privacy restrictions. “At this point there are still many Customers who have no idea they own a license and no idea they need to do something to keep it,â€? says Brent. â€œIn many cases, particularly outside of North America, we have been unable to establish contact with Partners. Unfortunately, some Partners initially see our message of ‘you already own this software, all you need to do to claim it’ as some sort of scam. Partners that engage with us quickly realize this is not the case.â€? In addition to a language barrier, on the global level it can be more diďŹƒcult to get contact information and do business in general. “We’ve been under a massive list cleaning operation, trying to ďŹ nd the right contacts at each Partner organization and have even hired people with foreign language skills to help contact Partners in other regions,â€? adds Brent. “It also turns out in some countries, such as Venezuela, that it’s impossible for them to send money out of the country. It worked well when Microsoft owned the product as they had a local manager, but now we have 70 to 80 Customers who have no way of paying things,â€? says Martin Olsen, product director for eOne Integrated Business Solutions. “We’re not in a position to open a Venezuelan oďŹƒce, so we’ll just need to work through logistical things like that.â€?

Taking Back the Reigns That tongue-in-cheek example is something that is a challenge but also good for business since eOne rose from 2,900 to 7,500 direct Customers after the December 2012 transition. “Having almost three times as many Customers, right away, was a challenge from a volume perspective,� says Martin. “We did a lot of things in a hurry to get ready for them.� That change in scope is something that resonated as a challenge for Merit and Professional Advantage as well. “While we provided the level three support when Microsoft owned the Risk Management Suite, we had to make changes to our support structure since we are now directly supporting more than 800 clients,� says Josh. “There was a lot of back-end work to make sure that our systems and processes could support all those clients and at a level we pride ourselves on.� “It’s fair to say that by gaining control again of Collections Management, we’ve seen a rekindling of energy around our horizontal Microsoft Dynamics GP products,� says Brent. “We now have complete control of product functionality, and we can be proactive in our sales and marketing campaigns.�

On the Horizon That type of focused energy is evident for all three organizations as their products are now true ISV products – each with its own product roadmap and direction for future enhancements – instead of modules for Microsoft Dynamics GP. “We’re working on expanding the functionality we can oer. For example, we are reviewing a new oering called ‘Archive Express’ which is based on our highly successful product Company Data

My social media favorites these days are… A multi-way tie between all of the Microsoft Dynamics GP MVPs and two SQL Server MVPs, Paul Randal and Kimberly Tripp. On my desk right now is… A re-implementation of Microsoft Dynamics GP including taking it from multiple company databases into just one company database. Another “to do” on my desk is to help as many people in the Microsoft Dynamics GP Community as I can. When I’m not at work… I try to spend some time answering emails from people with Microsoft Dynamics GP challenges. The main reason that I volunteer so much is that I actually learn more by teaching others than by just sitting in a class, or reading a manual, and it has also allowed me to make friends that I never would have met. Lastly, I guess that part of it is just my nature to help others whenever I can. I especially love taking my vacation time to spend time with my kids as well as help the band directors in their high school marching band. I attend all their practices, games, and even all their band competitions. If you ever get to see them march, you will probably see me somewhere close by helping out. Additionally, I can tell you there is no greater joy for a parent than to see your kids performing in a national high school band competition, and then seeing the tears of joy on their faces after they finish their performance. The best advice I ever received was… It is better to know where to find the answers to any problem than to know the answer to a specific problem.

A Message for Users Each ISV has a word of thanks for their Customers, thanking

them for their patience as the transitions were worked out and the companies got their systems in place. “We understand that there was confusion, and we want to keep Customers satisfied while they’re using our products,” says Josh. “A lot of people use the Risk Management Suite and like it, and when you look at the reason why companies choose Merit Solutions, it’s because of our product quality. We’re now committed to making sure we have the support quality there as well.” “Moving forward, we want to keep it as simple for them as possible,” says Martin. “At the same time, we’re going to do a lot of development to make the product even better, giving Customers even more value for their money.” “We are very happy to see so many Partners and Customers getting involved with Collections Management and Professional Advantage again,” says Brent. “We have already received a number of enhancement requests from interested Partners, and we welcome more.” GPUG Fall 2013

You throw networking opportunities in there, and it makes it an even better community. GPUG: Thank you for the kind words. Speaking of new things, we launched GPUG Collaborate this spring as a way to bring Members together in those times when we’re not together face-toface. What do you see as the value of these types of tools? DM: We live in a fast-moving time, and to depend on an annual event is not enough. Users need to be agile and do things in real time. If a User has an issue that another User has experienced, getting the answer they need right now is important. We have a very active, very engaged Microsoft Dynamics GP community, and this helps to foster that.

on Morton is celebrating 14 years at Microsoft this year, serving as the Microsoft Fargo site leader for the past seven. Don has been an advocate of GPUG® over the years (including the informal days back in 1999), and we sat down with him to talk about collaboration, the benefits of connecting with Members, and his advice for Members on their Microsoft Dynamics journey.

GPUG: You’ve been gracious to us over the years, speaking at various events both on Microsoft’s Fargo campus and “on the road”. What value does being in front of Microsoft Dynamics GP Users hold for you? Don Morton (DM): It’s very easy to support the User groups. GPUG has hosted events on our campus before, and they’ve been a huge win for the Fargo campus and Microsoft. Whenever we’re able to have Customers and Partners on campus and have our support and R&D

GPUG: How can the “offline” collaboration between Microsoft and GPUG continue to grow? DM: I think we can get feedback to the R&D team even faster. They’re very focused on agility and collaboration, and GPUG involvement enables us to get high-quality feedback very quickly. That’s invaluable as we continue to march forward. GPUG: You meet with a lot of Microsoft Dynamics Users throughout the year. Do you have any anecdotes from those meetings as to how peer-to-peer learning is beneficial to Users and Microsoft? DM: Definitely. At Convergence this past year I received a request from a Partner who was working with the Detroit Pistons. They knew that I’d worked with sports teams in the past, and they wanted to see if we could do anything to help the Pistons representatives meet others in the industry at Convergence.

With the help of our tele-sales team, we were able to put together some meetings at the convention center for about 25 sports team Users to have lunch together and get to know each other. We then shared information about GPUG and CRMUG® as they wanted to get involved with the groups and continue their networking and learning experiences. GPUG: Speaking of Convergence, how do you feel that GPUG Summit and Convergence complement each other? DM: There’s a tremendous synergy there. Convergence is the big umbrella that brings people and ideas together, and GPUG Summit is a little more personal of an event that continues to drive innovation forward. GPUG: You’ve been in this community a long time. What do you like best about your role at Microsoft as it’s evolved over the years?

DM: As Doug (Burgum)’s chief of staff, I was the liaison to Customers and Partners. Now I act as the liaison between the Microsoft leadership team and the Fargo campus. We have a couple of teams on our campus who address staffing needs within the Microsoft Dynamics community, especially the college campus recruiting strategy, so there’s a great deal of synergy in being connected to Partners and Users. GPUG: Do you have any advice for a User who is just beginning the Microsoft Dynamics journey? DM: Participate in Convergence, GPUG Summit, and your Regional Chapter meetings. Be a good Member and get engaged. If you commit yourself to the group, you will see tremendous value. One last piece is to not ever lose sight of the fact that one person can make a difference. You have the opportunity as a Microsoft Dynamics GP User to improve our product. Your input is valued and encouraged, and you can impact our future releases. GPUG

While the company and process date appear in each Microsoft Dynamics GP window, mispostings are still a fact of life. The most efficient way to alleviate this issue is to ask your Partner to install the Support Debugging Tool so you can leverage its company-based color schemes. Once installed, open the “Administrator Settings” window and choose the “Company” tab. Here you’ll find a checkbox to enable this feature as well as a long list of theme colors to choose from. These visual helpers can effectively aid Users who bounce around various databases and ultimately help reduce posting errors and maintain efficient data entry practices. The Support Debugging Tool itself is available at no cost but ONLY via PartnerSource (it has a long list of complex tasks it can

perform, thus this restriction), so please inquire with your Partner about obtaining it so you can begin to leverage this effective tool set. umans are a social breed. Our history, traditions, and lessons have been passed down through the generations via stories and demonstration. The advent of social media brought a change to our interactions, making them quicker, readily available, and less personal. A 2012 study found that there are now more devices connected to the Internet than there are people on earth, one person joins LinkedIn each second, 340 million tweets are sent each day, and 40 percent of people now socialize more online than faceto-face. (All Twitter, www.mediabistro.com). That’s a lot of interaction. GPUG® was interested to see how this social interaction impacts the Microsoft Dynamics GP community, so we reached out to some Members who are very active online to pick their brains on how social media has affected collaboration.

A Platform for Sharing Information sharing used to be limited to events, over the phone, or via books and manuals. Increased Internet capabilities allowed information to be shared on websites, webinars, and videos, with social media acting as a vehicle for getting the word out about the various learning platforms. “With experts around the world, social media has made the world smaller by bringing all the collaboration to your computer,” says Jon. “Before engaging a social media strategy, Data Masons was like many other companies who relied on their website to provide a majority of their information. I can now go out and publish information at any time, from anywhere, making the information more timely and relevant to the Microsoft Dynamics and EDI communities.”

The Medium of Choice While social media was first geared towards personal use, it has gravitated towards business use over the last couple of years. Twitter, LinkedIn, and Google+ come out on top with those we talked to, but Facebook has its place as well according to Tom Weaver, financial systems manager for Excelsior College, “I don’t mind duplication between Facebook and Twitter. I’d rather get the information twice than not at all.” Another venue are blogs and the Dynamics Community website, where many Microsoft Dynamics GP experts are regular contributors. According to Mark Polino, CPA, Microsoft MVP, and consultant for I.B.I.S., Inc., “Social media makes it easy take something I learn and share it with everyone. This significantly compresses the timeframe for people to learn new things about Microsoft Dynamics GP.” There’s also the consideration of what you want to achieve. “For me, it’s hard to pick only one as they all achieve different outreaches, both personally and professionally, depending on the audience,” says Jon Rivers, Partner channel manager for Data Masons Software. “If I had to choose, LinkedIn and Twitter are my top contenders.”

There’s also an element of speed that wasn’t there before, shares Tom. “It’s the quickest form of communication,” he says. “If you have a question, someone has already asked it, and the answer is almost guaranteed to arrive in a timely manner via social media. In other words, hot topics will almost certainly show up in your feed when you need them most. I firmly believe that the online experience naturally cultivates face-to-face conversations at a conference by indirectly providing that ice breaker.”

Where the Experts Go With so many avenues to choose from, the experts share that they have plenty of choices as to where to go to get what they need. Search engines (Google and Bing) seem to be the favorite for general information, and, based on ease of use and information found, they top CustomerSource. “I start with Bing or GPWindow.com,” says Mark. “Now that Bing includes Microsoft Dynamics GP support documentation, it’s a great place to see if someone else has seen this issue.” LinkedIn groups also top the list, according to Anya Ciecierski, director of marketing at CAL Business Solutions and co-founder/editor of the ERP/CRM Software Blogs. “I ask a question on one of my LinkedIn groups or send an email to a group of colleagues with whom I collaborate,” she says.

The Value is Real Whether it’s getting answers or building relationships, the value people receive from social media is real. “I’ve consistently heard the same comment from Users, that they’re getting their questions answered in real time by industry experts who they may not have had access to otherwise,” says Jon. “I think that sums up the true value of social media.” “Blogging has changed the way we get and share information in our community,” says Anya. “VAR and ISV Partners have a real opportunity to use social media to connect with each other and build relationships, become known as a supporter, and move past the gatekeeper quickly.”

How GPUG Collaborate Fits into the Picture We launched GPUG Collaborate with the hope of extending the value our Members receive from networking with each other at events and webinars and finding solutions to specific problems from other professionals who have experienced the same thing. It’s good reinforcement for us to hear these Users and Partners think it has its place. “I view GPUG Collaborate as another vehicle to learn more about Microsoft Dynamics GP every single day,” says Tom. “It’s the perfect complement to Facebook, Twitter, blogs, emails, and CustomerSource. I also think that GPUG

Collaborate has strengthened my networking efforts. I am just so appreciative to those who participate and are willing to share their knowledge.” According to Mariano Gomez, Microsoft MVP and EVP of midmarket solutions for IntellPartners, LLC, “It’s where the Users are. In a short time, GPUG Collaborate has become a key place for Microsoft Dynamics GP Users to look for answers. Also, a number of folks I know are suddenly answering questions on GPUG Collaborate. They’ve never tackled problems in other forums, but now they’re out in front delivering answers.” Gregg Gillaspy, director of financial planning and analysis for Compass Health, concurs and adds that GPUG Collaborate helps him help others. “I want to help others solve the problems they have with Microsoft Dynamics GP. It’s a true win-win situation.” “You often hear about community and User groups, but GPUG Collaborate pulls those ideas together in a place where Users can get together in a community of sorts,” says Howard Swerdloff, Dynamics liaison for Global Tower Partners. “There are great questions, answers, and discussions, and you can always learn something new just by participating.”

Ideas for the Future Sometimes it’s hard to think that social technology could evolve even more than where it’s at today, but it’s inevitable if you look back to how we got to this point. “I’m not sure, but GPUG Collaborate could be close,” says Tom. “I try not to forget about YouTube as sometimes you just need that visual. Tweeting a Vine video is good, too, but sometimes we’ll need more than six seconds.” Howard agrees, “I believe GPUG Collaborate is the next phase in networking,” he says. “There was a transition from face-to-face networking to sites like LinkedIn to this focused site where there is commonality in the membership and the discussions. It’s nice to go to Convergence or Summit and see people you met on Collaborate. You already have that connection, and conversations become easier.” Jon feels that the next wave of innovation might be inside Microsoft Dynamics GP. “I think we’re at a place where adoption is still in its early stages,” says Jon. “One thing I could see is a searchable ‘Help’ feature in Microsoft Dynamics GP where it would let you interact with the community so you could collaborate with others online when it comes to tips and tricks or support issues.” Jon also feels that GPUG Collaborate was a next step for GPUG. “This group has developed a tremendous sense of community that holds an invaluable amount of experience and knowledge among its Members,” says Jon. “I’m a longtime supporter of GPUG and a vocal advocate for social media, and I believe this addition was a natural next step.” GPUG

They were one of the ďŹ rst 100 VARs for Great Plains Software (now Microsoft Dynamics GP) and began to develop ISV products in 1997 when they saw functionality gaps in Microsoft Dynamics GP for bank reconciliation, advanced SmartList, project tracking, and, later, subscription billing. GPUG: What do your Customers like about your products? Ken Chartrand (KC): They love the fact that they actually work. That’s actually one of the responses we often receive from Customers. They’re tried and tested, very horizontal products that apply to a number of dierent industries, so we see Users from all sorts of businesses. Partners love positioning our products because they do what they’re supposed to do. GPUG: What do you have coming up for Users in the next six months? KC: We have rebranded our Recurring Contract Billing product to take advantage of the cloud oerings and software-as-a-service. It’s a perfect ďŹ t for that market, and we want to make sure people are aware that it exists and ďŹ ts well into that marketplace. GPUG: Have you seen increased interest in that product with the popularity of cloud oerings? KC: It seems to be an attractive product for people. It’s not about how much it costs, but rather what people pay on a monthly basis, so this product is great for those Customers. We have everything from professional sports teams to alarm companies to cell phone providers who use it for their subscription-based needs. Many Partners also use it for their renewals.

GPUG: How has the transition to the cloud gone from a development standpoint? KC: Pretty easy because the product has always been a good solution for Customers who have recurring billing needs. It always ďŹ t that space, so it wasn’t that diďŹƒcult to meet the needs for the cloud oering. GPUG: You were thinking “cloudâ€? before it was popular. KC: Yep – we were “country before it was cool.â€? GPUG: How does Encore consider innovation when it comes to your product development? KC: We continue to invest in our products and look at ways of enhancing them to meet the needs of the Microsoft Dynamics GP community. We’re also looking heavily into what’s happening in the cloud and where that is going. We like Microsoft’s vision in terms of where they’re taking the product and how they position Microsoft Dynamics GP in the market. They seem to be committed to the Microsoft Dynamics GP space, and that’s good as we have more than 1,700 Customers. GPUG: How has your involvement in GPUG been beneďŹ cial to Encore? n addition to chairing the Georgia Chapter of GPUG, Kim Lanning is senior manager, financial systems for SecureWorks, Dell’s security services division. Kim is a single mother of two adult daughters and a teenage son. Who is more likely to say, “I’m too busy” when asked to pitch in and help out? Instead, she keeps saying “yes”.

Her fondness for the word “yes” got started a few years ago in Nicaragua. “The CEO of SecureWorks became aware of the needs in Nicaragua after traveling there with his church. He recognized it would be something worth extending to the SecureWorks family,” she says. So a group of SecureWorks employees partnered with Amigos for Christ – or AFC (www.amigosforchrist.org) – to deliver on the mission of providing fresh water in a country ravaged not only by politics, but also by epidemics, earthquakes, floods, and volcanoes. On Kim’s first trip, she helped dig ditche ditches for pipes and also helped pour the foundation for a building in El Chonco. “This particular community already had a school, but the they had a hard time getting children to come,” she says. “So we poured concrete for what became a community center where mothers prepare prepar food for the children. It’s a great example of AFC’s approach: AFC partners pa with communities. The communities invest 10 percent of the ccost for projects, and AFC provides the expertise and funding to lead the projects. Volunteers get a once-in-a-lifetime opportunity to work w alongside the Nicaraguan communities and see firsthand how the efforts help the community sustain more than just survival into the future.” When communities move past merely surviving, other transformations happen: Children start going to sschool, animals thrive with access to clean water, and women make aand sell crafts rather than using all of their energy hauling fresh wat water many miles per day. “It becomes less about surviving and more ab about thriving,” Kim says. “It makes a huge difference, and it is very rewarding to witness and be a part of that.”
