elcome to the Q2 issue of GPUG® Magazine! The theme for this issue is professional development. BusinessDictionary.com defines professional development as the: “Process of improving and increasing capabilities of staff through access to education and training opportunities in the workplace, through outside organization, or through watching others perform the job. Professional development helps build and maintain morale of staff members, and is thought to attract higher quality staff to an organization.” In a nutshell, professional development is about getting better at what we do as well as increasing what we know. This makes us better employees, leaders, and co-workers. Many of the skills that we hone and develop carry into our personal lives and make us better communicators and listeners. It’s a win-win. And yet, there are only so many hours in a day. How do you balance work goals with time needed for professional development? Does your employer value professional development and encourage you to pursue certification? How do you find out what’s available? How does volunteering fit into professional development? This issue of GPUG shares how some organizations approach professional development. Perhaps your organization has an internal system for you to take courses at your own pace. Or perhaps there’s a very clear career path, and you know the additional certification or skills you need to be considered for the next step up. Every organization has its own culture to support the needs of its team. Another way to grow professionally is by volunteering. GPUG is a great example of volunteerism at its best. Up-and-Coming Chapter

DALLAS/ FORT WORTH Chapter Leader Seth Grossman Vice President of Finance Nation’s Best Sports

GPUG® community, we have a relaunched chapter! The Dallas/Fort Worth chapter, under the leadership of Seth Grossman, kicked oﬀ 2016 with 31 attendees at their oﬃcial relaunch meeting in January. “There was such great energy and excitement about our chapter’s reinvigoration,” says Seth. “We have about 45 GPUG Members in this

area, and we have some Members interested in volunteering as well as hosting future events.” One of those volunteers, Raising Cane’s®, a popular quickserve fried chicken restaurant, will host the next meeting, including a facility tour and maybe a sampling from their menu.

Chapter Leader of the Quarter

SAMANTHA MEIER Iowa – Des Moines Accounts Payable Manager Afﬁliates Management Company

The Iowa – Des Moines chapter is oﬀ to a great start, celebrating with 22 GPUG Members present at their January meeting. “I really enjoy working and networking with people who I would normally not get the opportunity to interact with in my day-to-day business life,” says Samantha Meier, chapter leader. “It’s always fun to meet new people and see how they handle diﬀerent situations, including what tips and tricks they have learned about Microsoft

Dynamics GP that I haven’t yet learned.” Samantha has the rest of 2016 on the calendar for her chapter: May 18, September 21, and December 15, and the group will alternate between locations of the Des Moines Microsoft building and Samantha’s worksite. The topics are still getting nailed down, so be sure to reach out to Samantha if Iowa – Des Moines is your home chapter.

o you ever look at presenters at an event and think, “There is no way I could ever do that.”? Chances are, the person at the front of the room had the same thought at some point in his/her career. While the ultimate goal of GPUG® is to engage individuals in value-added networking and knowledge sharing, professional development along the way is a helpful, life-long beneﬁt. Wondering how you can start on that path? GPUG reached out to two of our active leaders, Michelle Kocher, director of operations for Delta Medical Systems, and Viola Shoell, business systems analyst at Franklin PUD, to ﬁnd out how they began their journeys in personal and professional development through GPUG involvement.

“There’s a group for that?” Neither Michelle nor Viola had any clue that a User group for Microsoft Dynamics GP existed before they stumbled on GPUG. “I learned about GPUG while I was at Convergence in 2009 and immediately saw the beneﬁt in meeting people and ﬁguring out all I could do on my own,” says Michelle. “My eyes were opened to other Microsoft Dynamics GP Users, and I really wanted to help out and get involved.” Viola found out about GPUG from her organization’s Partner, who had suggested that she attend a webinar for more in-depth information on a couple of topics. “During a payroll webinar with Terry Heley, somebody asked if there was anything we were doing that we might like to share with the rest of the group,” remarks Viola. “My answer was the use of customizing checklists for payroll and having your entire process documented in a checklist.” It was all down – er, up – hill from there for both.

From those slightly propped doors came a little bit of service. For Michelle, seeking out information about ﬁeld service resulted in becoming the ﬁeld service expert. “There wasn’t a lot of conversation about it, and because there wasn’t anybody, I became the resident expert…and still am,” says Michelle. “I was also involved in getting our chapter going so we could build our local network.”

“Beyond that,” Michelle continues, “I continued to dedicate time because I was getting value from the group. I was able to meet so many people, have conversations, and be invited to special sit-downs – all things that I didn’t have before GPUG. I really felt like it paid off to volunteer.” For Viola, the networking was the hook that brought her closer to volunteering. “There is such an incredible level of experience in this community,” Viola shares. “From beginners with wonderful unhibited ideas to old-timers who are looking for new ideas because they feel there has to be a better way. It is wonderful to be with all of those different people who want to share and have a story.” The sharing of stories and ideas became a catalyst for Viola to want to make sure the information she was consuming and sharing was the most current. “Knowing that I was going to be asked questions by fellow Users made me want to research and find out if I was doing things in the most efficient manner,” says Viola. “Broadening my knowledge base – as well as revisiting the things that I feel I have nailed – helps to engrain those concepts in my mind and enables me to produce a quicker answer when asked.”

“Hey, look what I did!” In addition to having answers for fellow Users, Viola found that she was able to react more quickly in her own career. “There are always circumstances that come about, and quite often I’m able to use what I learn in my own life,” Viola says. Michelle experienced a similar amount of growth as she built her ﬁnance knowledge through conversations with accountants and controllers instead of a traditional accounting curriculum. “I could have continued doing my job the way I did, but with these new experiences and conversations, I was able to come back to my boss and show him cooler, new reports and dashboards,” says Michelle. “That showed that I could now understand our operations and data better than anyone else, enabling me to grow into the position I’m now in.” “I also didn’t have a fear of challenging things we were doing – or not doing,” says Michelle. “Being able to create something new and say, ‘Hey, look what I did!’ has been such a positive experience.”

If you put in the eﬀort, you’re going to get something out of it.” “Fear is a really big thing and is a limiting factor for many people,” continues Michelle. “You can show up and listen, but if you don’t actually communicate with anyone or challenge yourself, you’re limiting yourself. Learn how to do the cool things and make things better for yourself and your organization.” Viola agrees. “Just jump in. Microsoft Dynamics GP is ever-evolving, and if we can learn to embrace change rather than ﬁght it, it will be that much more fun and exciting,” she shares. “Just call into a webinar and listen. Nobody says that you have to talk or ask a question. You’ll be amazed at how addictive it is. There will be questions answered that you didn’t even know you had, or were too shy or self-conscious to ask,” Viola says. “Take the time to do it. I promise your time will be very well-spent.” GPUG

“It’s made me more confident.” That professional development naturally spilled over into both women’s personal lives. “I went from being very nervous and uncomfortable (at the thought of presenting), and I just don’t feel that now,” says Michelle. “If you can’t communicate, you can’t grow. Before I started my GPUG engagement, I was a customer service rep who managed Microsoft Dynamics GP. Now I’m the director of operations. Everybody is an expert in something, and you’re very likely better at something than somebody else in the room. If you are willing to listen to others but also talk to others, you can gain so much.” Viola noticed that her organizational skills improved when she became more engaged in the community. “You can’t share on a regular basis as a presenter without being organized,” Viola shares. “All of our plates are full, but if you want to get engaged without the plate overflowing, you need to become more organized with your time. In addition to honing that skill, I’ve realized that I’m more confident the more I learn.”

How to Bring In Open AP/AR/ Inventory in Microsoft Dynamics GP by Amber Bell, Training Dynamo LLC, GPUG® Partner Member

Options Dropdown Sometimes we get stuck in our ways. Over the last 15 years I had one process to bring in open AP/AR/Inventory in Microsoft Dynamics GP, but I have found a better way. In the past I would either delete the journal entries created by the open AP/AR/Inventory transactions or (rarely) the “Post To GL” Checkbox is unchecked. Then the GL balances are typically brought in separately. However, this is my new and improved process to bring in open AP/AR/Inventory:

» Import or manually enter Open Transactions: If the client doesn’t want to figure out the Sales or Expense account, use a Suspense or “9999” type account to offset the control account. » Post in Subledger. » Post GL batch with GL posting date last date of old system. » Enter 1 journal entry to backout the balance in the control account and the offset account(s) used. I feel this process is better because: » This will make the Reconcile Tools work better. » The SmartLists for activity for the control accounts will have ALL activity versus missing open balance transactions. » Helps with future reconciling research projects. In addition: I have been recommending that my Microsoft Dynamics GP clients enable a setting under: Administration > Setup > Company > Company > Options to check the box called “Separate Payment Distributions”. » This setting only kicks in if AP or AR transactions are paid at the same time they are entered. » If transactions are entered and paid without this box checked, the transaction bypasses the control account (example: for AP Transactions, the Expense account is Debited and Cash is Credited). » This also helps with the reconcile issues. Along with changing to posting Open Transactions to the GL, this helps ensure that penny for penny, you can balance by Vendor or Customer ID to the Master ID in the GL Transactions. » If you check this box, the distribution will look like what’s below: It is always good to learn new ways to do simple tasks!

n today’s work environments, it is often difficult to keep abreast of the latest administrative releases and requirements for Microsoft Dynamics GP. The advent of the Microsoft Dynamics GP web client, the advancement of workflows, the use of Power BI, and keeping up with User security and year-end procedures can make a Microsoft Dynamics GP administrator’s head spin. buzz is building on social media, with the release of Microsoft Dynamics GP 2016 now confirmed for May 1, 2016. Let’s investigate what has provoked the enthusiasm and look at what will be released in May. The first public glimpse of the new product was in London in a demonstration by Gary Tronson, engineering manager at Microsoft. In a sneak peek, he revealed the new HTML5 web client for Microsoft Dynamics GP. Those familiar with existing versions of the solution will be aware that it can already be hosted in a web browser; however, middleware is used to achieve this. A technology called Silverlight acts as a host for the Microsoft Dynamics GP application, providing the desktop-like application experience. The use of this middleware acted as a constraint to the platforms that could support the web version of Microsoft Dynamics GP. Now out goes Silverlight and in comes native HTML5 support as with Microsoft Dynamics GP 2016, forms can render as native HTML5 web pages. The new web client makes Microsoft Dynamics GP look refreshingly tidy and sharp. User interface rendering to HTML5 is a very significant advancement as Microsoft can now offer a full Microsoft Dynamics GP client experience on any device that supports HTML5 browsers. Indeed, that means tablets running Android, OS X, Linux, and computers with modern browsers can be used for the full use of Microsoft Dynamics GP, a User experience that feels almost as if it were an installed application. There is more as it also runs in browsers from many vendors, including Firefox, Chrome, and Edge, so long as it supports HTML5. This feature is the completion of a staged process through previous versions of Microsoft Dynamics GP web client to achieve this end goal and puts Microsoft Dynamics GP on equal footing with other browser-based ERP systems. During the development process of the new web client, it turns out much of the pain in achieving perfect rendering in HTML5 was with silly little issues. An example of such was one-pixel misalignments between visual elements on the Microsoft Dynamics GP forms. These were misalignments that had always existed in previous versions of the traditional Microsoft Dynamics GP client; however, they were revealed when the forms rendered to HTML5. This resulted in untidy jagged layouts. These misalignments had previously never been noticed or bothered anyone. The issues were resolved by correcting the pixel accuracy in the User interface alignments on all of the many form windows in Microsoft Dynamics GP. The Microsoft Dynamics GP navigation menu moves from its traditional position along the top of

the window in the web client and is now located on the left-hand side gutter of the User interface. The infamous “hamburger icon”, three horizontal lines resembling a hamburger, now adorns the top of the menu. It is being used to collapse the Microsoft Dynamics GP navigation in order to provide more room for interaction, with key information held within the main form workspaces. As with the existing Microsoft Dynamics GP web client, custom solutions written in Dexterity or Visual Studio add-ins will be supported. That is, so long as the developers stick to the supported visual controls and best practices as outlined in the developer documentation for current Microsoft Dynamics GP versions. A number of solutions from key ISV companies have been tested with the client and found to work with little or no updates. It is said that some of them looked even better in HTML5 than in the native client; this will be a relief and welcome news to many Microsoft Dynamics GP ISV developers. Most functionality such as printing remains unchanged, as functions such as this sit below the presentation layer of the application and thus are unaffected by changes to the skin of the application. One final observation is that performance (keyboard responsiveness) is very good in the HTML5 web client. It is almost as good as a standard desktop client; that is great news for data entry Users. There is no better time to consider the HTML5 client as it provides a viable, responsive alternative to Terminal Services, allowing the release of terminal server licenses or perhaps allowing the retirement of terminal service servers entirely. New controls are offered to administrators to aid in the management of HTML clients in a multi-tenant install. This will help the growing market for Microsoft Dynamics GP in the cloud. Some time ago the Microsoft Dynamics GP team moved to an Agile software development methodology, bringing a faster cadence of software releases. The HTML5 client may be the headline feature for Microsoft Dynamics GP 2016, but there is so much more packed into this release. Let’s check out the rest, with a caveat that features are subject to review and change:

It is excellent to see that the popular All-In-One Document Viewer will be rolling out to encompass the other main areas of Microsoft Dynamics GP. The purchasing viewer has been well-received in Microsoft Dynamics GP 2015 and has a signiﬁcant impact on the productivity of the end User. The All-In-One viewers will be the most obvious up-front change Users will encounter after upgrade. Each viewer provides a holistic view of transactions from the respective modules for purchasing, sales, and inventory. Power BI gets attention in Microsoft Dynamics GP 2016, with charts on the Microsoft Dynamics GP role center and support for Open Data Protocol (OData). The OData provision will expose data stored in Microsoft Dynamics GP to Power BI tools and presumably other tool sets capable of consuming OData sources. The Microsoft Power BI suite is transforming data analytics; the incorporation of OData into Microsoft Dynamics GP will promote the BI tool sets for use with Microsoft Dynamics GP. Favorite Microsoft Excel Formulas Part 1 by Belinda Allen, Smith & Allen Consulting, Inc., GPUG® Partner Member ere are some of the formulas I use in Microsoft Excel most frequently (other than add/sum, subtract, multiply, and divide). Please note that I currently use Oﬃce 365 Excel (the equivalent to Excel 2013 Professional Plus), and those are the depicted screenshots.

Lookup and Reference - Hyperlink

TEXT “mmm”

Frequently I want the result of my formula to display a portion of the date and display as text (rather than a number formatted as text). Depending on what I am doing with the data, it is sometimes easier to have it show as text. » “mmmm” will display the entire month name (e.g. March, April, etc.) » “ddd” will display the day abbreviated (e.g. Mon, Tue, etc.) » “dddd” will display the entire day name (e.g. Monday, Tuesday, etc.) » “y” will display the last two characters of a year in text format (etc. 16 for 2016 and 17 for 2017) » “yyyy” will display the year in format using all four characters (e.g. 2016, 2017 etc.)

Some out-of-the-box Excel refreshable reports contain “drillbacks”. (Note: eOne has a tool that allows you to create these drillbacks.) A drillback is a URL of the inquiry window that displays that record in Microsoft Dynamics GP. For this link to work, you must be logged into Microsoft Dynamics GP on the machine on which you are using this Excel report. In the above window, I have created a column that displays the Journal Entry Number (Friendly_name). By clicking on the result on a speciﬁc row, the Journal Entry window will open (based on the “Link_location”) in Microsoft Dynamics GP AND opens the Journal Entry number for that row.

I would then typically hide both columns used in the hyperlink formula to make this table easier to use.

Logical - IF

This is probably the formula I use most often with payables and sales/receivables documents. Since Microsoft Dynamics GP stores all transactions for the purchasing and sales series as positive documents and not as a net effect to a specific module (for example, a payment would show as a negative number since it reduces both payables and receivables), to have a report in Excel that nets out the module rather lists documents, we need to make some fields negative. The IF formula allows us to do that. To make payments appear as negatives, I first ask Excel: “Is the document type a Payment?” If it is a payment, I place a “-” sign in front of the amount to make it a negative amount. If it is not, I simply enter the amount, leaving it positive. Since both the purchasing and the sales series have three types of documents that can be negative (payment, returns, and credit memos), we’ll have to account for all three types of documents. To do this well, “nest” IF formulas. This means we will place an IF statement inside another IF statement.

In the previous image, I start an IF statement performing a “Logical_test” to see if the Document Type is a “Credit Memo” as I did before. If it is, I make the value a negative amount. If is NOT a credit memo, rather than entering the amount again, I enter the entire IF statement, except for the “=” at the beginning that I created for the “Payment.” You would need to create a nest like this again for “Returns.” In Excel 2013, you can have up to 64 nested statements in one formula.

IMPORTANT NOTES ABOUT THIS STATEMENT This formula is looking at text, so if there are two blank spaces after the word “Payment” in your Excel table/worksheet, there must be two blank spaces in the formula. You’ll notice I have several spaces in each formula. Also, since this is text, it must have quotation marks around the text. Public or Member Only Webinars Something we’ve heard from the community is you’d like an easy way to see which webinars are open to everyone (public) and which ones are only available to paid GPUG Members. We’ve added a filter on the webinars page that allows filtering in three categories: All (default view), Public, or Member Only.

Find Your Add-On Activities When you register for a conference, often times there are additional registration activities you can choose (like Pre-Conference Academy classes prior to GPUG Summit). Previously when you looked at your registration in the My Registrations area of your proﬁle, you would not see those additional registration activities. Now when you look at your registrations, you can see those details.

Registrations for You and Your Team Many of our Member companies have asked to see all the registration activity happening for their company. This helps when determining to move from subscriber to paid Member or when looking at annual renewals. Account administrators and the primary contact will see a new button in their proﬁle area – Company Registrations. This gives an all-up view of all registration activities for your company.

Am I Logged In? You may have noticed when registering for an event that you are sometimes prompted to log in (again), even though you can see your proﬁle picture in the upper right of the site. We’re releasing a ﬁx that will address this discrepancy and eliminate the need for multiple logins.

Are We There Yet? We’ve heard (and experienced) some poor performance issues when registering for events on the site – specifically the loading speed. This release includes fixes to help with the screens loading during the registration process. We will continue to improve this process with additional fixes in future 2016 releases.

PUG® reached out to Chad Sogge, group program manager of SMB solutions for Microsoft, to gain insight into the release of Microsoft Dynamics GP 2016, its anticipated features, and the events his team is involved in to make sure Users are up to speed with what’s available. GPUG: You’re getting close to go-live! What’s your team up to these days? Chad Sogge (CS): Right now we’re putting the finishing touches on the spring release, as well as writing the readiness materials so we can talk in great detail about what is new in Microsoft Dynamics GP 2016. GPUG: Let’s talk about some of those finishing touches. What can Users expect from this latest release of Microsoft Dynamics GP? CS: There are so many great enhancements. A few examples are expanding on the All-in-One functionality to include sales and inventory views. We’ve enhanced the workflow processes, making them more intuitive for both regular and escalated cases. We also enhanced pre-payments to include payments against tax. There are a number of features there that Users will find relevant to their role and tax needs. One of the biggest features in Microsoft Dynamics GP 2016 is the brand new web client. We’ve made one that works with multiple browsers – Google, Chrome, Safari, etc. – and devices,

including tablet form factors. That’s very big news for us and makes it an even more exciting era for Microsoft Dynamics GP. GPUG: Do you consider the browser and device innovations driven by technology or Customer request? CS: It’s both, partially technology and partially Customer-driven. Users want to have the mobile performance and retrieve their data in the office, but they want to use it on their own device. And because of that desire and where technology is today, we can optimize screen real estate based on the User’s desired task and device. Because of this flexibility, we’re taking the opportunity to optimize for the various form factors. GPUG: Is there a big change to the User interface between the web client and the on-premises version? CS: There’s a slight difference between the two. More and more Customer organizations are going to the web client for their Users, so that’s where we’re spending most of our time. GPUG: As we talk about spring, it’s notable that the change from Convergence to Envision affects your team quite a bit. How does that event transition change what you do to share information about this new release? CS: We’re examining our readiness plans at this moment, and we definitely want to leverage GPUG to share information as it’s a great repository of people.

We can solve today’s issues and look toward the future, ﬁguring out what people need to do to get their business to where it needs to be.

We’re excited to see the new event, Amplify, come about for this May (23-25, in Anaheim, California). That’s an opportunity for Users to see Microsoft Dynamics GP 2016 in action and gain a greater sense of how it could benefit their organizations. We also, of course, have GPUG Summit in October, which is a great time for us to connect with Users. GPUG: One thing that we really appreciate about having the R&D involved in GPUG Summit is the ability to see what’s coming as well as get really in the weeds about functionality. CS: That’s what we enjoy as well. The R&D sessions are always about what’s new, and the people who are using or selling the product can tell you what’s best in today’s solution. People who attend GPUG Summit want to best leverage what exists today and head home with tangible benefits, whether that’s through improving their implementation or an ISV solution that can help them. That’s what I really enjoy about that event. We solve today’s issues and look towards the future, figuring out what people need to do to help move their business forward. GPUG: Outside of face-to-face events, what other types of readiness materials will be available? CS: We’ll host our Feature of the Day blog where we blog about a feature each day until the release of the product (see the sidebar). We’re also looking at doing recorded and live webinars in addition to our contributions to CustomerSource and the Dynamics Community website. Many of our MVPs are also publishing great information that can be quite helpful to a User. GPUG: Do you see yourselves also becoming more connected to Customers and Partners through social media, as it becomes more pervasive in the work scene?

CS: We’ve always prided ourselves on our connection with Partners and Customers. We have so many more tools to stay better connected, and it’s evolved the solutions we’re building. Our program managers have been able to start research with Customers and follow that through as we design and build the product, and then as we go to market, we’re able to share what we designed and built. We’re able to provide a platform that shows Users exactly what we did and create a dialogue to improve upon that for the next version. This has taken our interaction and dialogue to a place that we always hoped for. GPUG: What factors should Users look at as they consider an upgrade? CS: It’s become so easy and straightforward to move from one version to the next that it should be seamless. Customers should ensure they are leveraging the functionality they want to use, and then work with their Partner for the update. It really shouldn’t take a lot of extra work. Being on the web client makes it very natural to use the next version. Companies should examine what’s available in today’s web client and gets familiar with how it works now, then it’s a natural upgrade to Microsoft Dynamics GP 2016 when they’re ready. GPUG: What will your team focus on after Microsoft Dynamics GP 2016 releases? CS: Since we now look to push releases every six months, whether that’s an “R” release or a new version, we’ve already started work on the next release. We continue to use Microsoft Connect submissions to evaluate top of mind issues for Users in the community and for Partners who are in conversations with prospective Customers. It’s one continuous, agile process.

The most successful Customers are the ones that are the most connected, going to events and having dialogue with colleagues. GPUG: Have you been in that six-month release cadence for about three years now? How has that transition worked out for your team? CS: It’s made us very responsive to Customer input. We’re operating in an agile fashion so as feature requests come in, we can triage them against our planned work and adjust if priorities change. This allows maximum ﬂuidity in meeting the market demands in a very timely manner.

GPUG: Is there anything else you’d like to share with our readers? CS: The value of this community cannot be overstated. The most successful Customers are the ones that are the most connected, going to events and having dialogue with colleagues. Be active in this community. You’ll be able to collaborate with colleagues who can help you solve a problem, or you may provide the knowledge to make a diﬀerence in somebody else’s business. That’s the power of community. GPUG

MINUTES WITH GPUG’S VOLUNTEER OF THE QUARTER

On my desk right now… It’s a messy desk, but I usually know where to ﬁnd what I’m looking for. Of course there’s a tablet computer and three monitors; great for multitasking. Then there’s this old and almost obsolete gizmo, the telephone. Although it’s been eclipsed by the computer, it’s still the medium of choice by those pesky telemarketers, so I try to avoid answering it. There’s also an array of pictures of my family, including many of my grandchildren, who are always there to provide inspiration when needed. Lastly, there’s an analog clock with the GPUG logo on it, a gift from my friends at GPUG, reminding me that there’s always time to lend a hand to this excellent organization. My three goals for 2016… Do good work, play nice, and enjoy life! It seems to me that doing your best work and being a positive part of whatever you do ultimately gives one a life they will enjoy. For 2016, I’ll work harder, contribute more, and have more fun than ever before.

What I do when I’m not at work… When I’m not working, I spend quality time with family and friends. Being blessed with a great family and close friends, I’m always busy going someplace interesting or doing something really cool with some really great people. The best advice I ever received… My mom told me that, “anything worth doing is worth doing well”. If applied to everything in life, not just work, it can be the foundation to success and happiness. Whether it’s a technical issue I’m trying to solve or relating with other people, I try to step back and ask myself, am I doing this well, am I handling this right.

Microsoft Dynamics GP 2013 R2 Document Attachment by Jim Bertler, Logan Consulting, GPUG® Partner Member ne of the great features in Microsoft Dynamics GP 2013 R2 is Document Attachment. Before this update, attaching documents and images required a three-step process that included scanning the document, saving it to your hard drive, and attaching it to an OLE note in a transaction. Now, this process has been streamlined with a new feature called Document Attachment.

INSTRUCTIONS Some of the more common areas within Microsoft Dynamics GP in which this feature can be used include items, sales transactions, human resources, and vendors. Any document ﬁle that is saved locally on a hard drive or network server can be used as an attachment. For items, a great example would be attaching a picture of an inventory item or a Microsoft Word document that provides further details

about the inventory item. For sales transactions, attaching any documentation that is relevant to a sale (e.g. a sales order form or email communication with the Customer) would be useful for salespeople to quickly find information about a Customer. Since there is no limit to how many attachments can be attached to a card, another great use of Document Attachment would be to attach forms (e.g. W-4, I-9, direct deposit form, etc.) for new employees to their cards in Microsoft Dynamics GP. Additionally, this feature can be utilized with vendors by attaching contracts and any other related documents. Setting up Document Attachment in Microsoft Dynamics GP is fairly basic. Go to Microsoft Dynamics GP > Tools > Setup > Company > Document Attachment Setup. The screen to the left should open. Check the box entitled “Allow Document Attachments”. After that, you have several options to toggle and try out. Some of these options include: » Choosing a default location to look for attachments. This allows you to organize all of your Microsoft Dynamics GP attachments into one folder. » Deleting the file from the default location after attachment. This is useful if you don’t have a need to keep a backup of the attachment or if the default location is for temporary storage. » Deciding on the maximum file size. If you have limited space on a hard drive or server, then you may want to consider assigning a maximum size. » Allowing attachments to be deleted. You should check this box if you plan on using Document Attachment as a way to keep track of historic documents and data. » Allowing attachments to flow through to documents. This box should be selected if you want, for example, an image of an inventory item to be attached to any transaction associated with that inventory item. GPUG: Tell us more about Saratoga Technologies. Whitney Dillard (WD): We’ve been in business since 2001 and were initially a subsidiary of Saratoga Software located in Cape Town, South Africa. We have offices in Tennessee and Virginia, and in our 15 years of business, we have acquired many different divisions that include networking, printing, Internet, telecommunications, business solutions, and copier companies. Michael Moody (MM): Our business solutions division is based out of our Tennessee office, and we provide Microsoft Dynamics GP and Microsoft Dynamics CRM as well as other solutions such as Microsoft SharePoint. WD: Saratoga is also a great place to work. We adapt very well to change and are always looking for what’s coming up in the market. After 25 acquisitions, we are accustomed to adjusting to new Customers and new employees. The company is built on a solid foundation of core values, and we pass that along to our Customers as their trusted business advisor. GPUG: Is there a story behind the name? WD: We get asked that a lot, and there are a few stories – or maybe even rumors – floating around. The latest one is that the founders spun a globe and stopped it with their finger. Saratoga was the city they landed on. GPUG: That’s one way to make a decision! What kind of companies do you serve? MM: Mostly small to mid-sized businesses with five to 50 employees. The nature of our offerings makes us a one-stop shop of sorts for these type of companies. We don’t just support software; we maintain printers, hardware, servers, and telecommunications, and we have the ability and expertise to take care of all their software needs like an outsourced IT department. With that said, we work in several areas such as medical groups,

gas utilities, entertainment agencies, restaurant franchises, and manufacturing. GPUG: What sets you apart from other Microsoft Dynamics GP VARs? WD: We are our own Customer. That is, we run our business with Microsoft Dynamics GP and Microsoft Dynamics CRM using web services along with a number of different third-party add-ons, including Mekorma, EthoSeries, eOne, Rockton, and Experlogix. Customizing our own solution helps us better serve our Customers. MM: We also know the value of not reinventing the wheel and the importance of leveraging what others have created to save our Customers time and money. GPUG: There are so many third-party providers. How do you decide which to use? MM: We are big fans of The List, found in the back of GPUG Magazine, and have found those included there to be ISVs with a good reputation. We can also see if they’re certified for Microsoft Dynamics GP. WD: Yes, we use The List a lot and leverage that to evaluate providers. GPUG: Do you create customized solutions in addition to leveraging outside third-party providers? MM: Yes, we’ve developed a web app known as MobileTech for field service providers to use on service calls. Users can see and enter notes or submit tickets via this web interface, and it all integrates with Microsoft Dynamics GP. It’s tailored to their specific job in the field so they don’t need to be specially trained on Microsoft Dynamics GP. WD: We also have another tool, MeterMaid, that enhances the contract module. It takes the readings posted into Microsoft Dynamics GP

and generates the invoices based on allowances and timeframe. It’s otherwise a manual process in out-of-the-box Microsoft Dynamics GP, and this helps to streamline contracting and invoicing a bit. GPUG: What’s a good example of how you recently provided value to a Customer? MM: We recently helped a manufacturer set up an e-commerce store that helped automate and integrate Customer interactions with Microsoft Dynamics GP. Instead of representatives spending time and resources answering phone calls, the Customer can now access the e-commerce store on their own to see up-to-date information on current inventory levels, order tracking and history, and more. GPUG: How does Saratoga focus internally on professional development? WD: We leverage GPUG for a lot of training and gain a lot from Summit as well as the daily email recaps and recorded webinars. We attend GPUG Summit more on a User side than a Partner side, sending two or three people to learn best practices while there. GPUG: What do you like most about GPUG? WD: It’s hard to pick just one thing, but I personally enjoy the daily emails that come through. I can just skim through them to see if something applies to our business and forward it on to my peers if we want to look deeper. GPUG makes it possible to take a quick few minutes to learn. MM: I love that our non-technical Users now have ideas for improvements and feel confident enough to approach IT with the right questions so the technical folks can then investigate the issue directly. CHANGE what does it mean to you?

oes change bring fear of the unknown – or is it an exciting challenge that you want to be in on, or do you feel something in between: Apprehension, but you’re willing to give it some attention? Thoughts like this swirl in everyone’s minds whenever a new project, system implementation, or company change is in the works. I’ve seen too much of this in my years as a project manager, especially when implementing a new application that has broad reaches into the company. People are wondering about what processes will change, whether their jobs will be affected or possibly even eliminated, or whether there will be no affect to their jobs at all. There is talk in the hallways – guessing, wondering, pre-supposing…etc. From my perspective as a project manager, change management is something that should be top of mind when a new project or initiative is being discussed. It should be tackled proactively. Change should be considered just as important as gathering requirements. Without buy-in and adoption, there is NO project – at least not a successful one! In the planning phase, consider the change it will have to the organization. Will it just affect one department, or are there cross-functional impacts? Talking it over with HR may be helpful as they may see a human component that you may not have recognized. Here are some important items to include:

» Create a project steering committee – Included should be your key sponsor who is funding the effort along with other affected department managers. For an ERP implementation, this is typically toplevel management. On smaller efforts, it might be middle management or a specific department head. This group should be able to provide insight on their organization and attitude toward any perceived changes. » Build a communication plan – Define a schedule of when to communicate and what the content of each message should be. It may start fairly high-level and then get more specific as the project progresses. » Develop a strong core team – Sometimes your loudest naysayer can be your best advocate and team member! The core team is an important component of a project. Select the right people to work on the project – ones that are open to change, willing to experiment, can think outside of the box. This team will help define the processes and ensure that what is important remains and that what can be changed to fit the system is indeed changed. They will become your best communicators for the project and for any changes that will be implemented. During project execution, it is important to have periodic communications. Consider brown bag events to respond to open questions and answers. Focus group meetings is another idea for getting in front of a particular group that is thought to be impacted or has concerns. Whatever avenues are chosen, concerns can be aired and hopefully any issues can be alleviated before they become problems and a roadblock to success. At a minimum, this provides opportunities for people to voice their thoughts. Two key factors here are LISTENING and following through! Every project team member should be actively listening to conversations around them. And then they should be making sure there is a communication feedback loop. This can be difficult since you may hear things you didn’t want to know, but it is best to be open, honest, and tackle them head on. Even saying, “I don’t know right now” or, “I’ll have to get back to you” is better than no response. Provide an opportunity for people to get involved, if possible. Maybe they will volunteer to be a tester! At project roll-out, be sure to have adequate training and documentation coverage. One area easily missed is training for the casual or inquiry Users. These people are important for adoption since they are typically your data analysts that need to understand the information to make recommendations and decisions. Here’s an idea from a past project: Have the core team wear team shirts and roam around so that they can be easily spotted to answer questions and resolve any start-up questions. A daily stand-up at the beginning or end of the day to review issues is a good way to ensure nothing is dropped, and it keeps the core team in sync with issues. This is especially important if you have multiple regions affected. Each steering committee member should have the project regularly on their staff meeting agenda as well as in 1:1 discussions. Conveying status, impact, and implications is important as well as showing management involvement, support, and buy-in. For an ERP project, it should also be a topic for executive staff so that an overall understanding of the effect on the company as a whole as well as the cross-functional concerns and issues are discussed. The management team will need to help make decisions to resolve issues related to resources, priorities, and cross-functional impacts. A key factor here is SUPPORT! In summary, embrace change – life never stands still. And again, coming from a project manager, it is always about change! Clean Up Your Inbox Act! Tips to Being More Efﬁcient and Less Stressed About Your Inbox f you’re like many people, you may need some inspiration to clean up your inbox act! To help counter this problem with productivity, Ginny Ferguson presented a session called Inbox Overflowing? Take Back Control! based on the popular book, “The 15-Minute Inbox”.

This content is part of the OneSource Microsoft Tools webinar series, the goal of which is to spread education regarding Microsoft technologies to NAVUG Members. Here’s a quick summary of this webinar; be sure to check it out at www.gpug.com/inboxcontrol.

First and foremost, identify the types of email you’re receiving: » Critical and Urgent – Needs to be addressed immediately. » Critical and Not Urgent – Helps you to advance your goals, project, or business, and/or required action is part of your job. » Not Critical and Urgent – Everything else that enters your inbox and is not critical, but carries a sense of urgency. » Not Critical and Not Urgent – Even if you don’t have to act on it, it’s still in your inbox. Delete! Ginny urges you to think of your inbox as a busy airport terminal. You need to organize it so you can quickly process the emails and move on. Prepare your terminals and deﬁne a strategy to keep that inbox clean! » Action Today – Emails that require your action as quickly as possible. » Follow-Up – You are either waiting on someone else’s input, or you need to check progress on an action. » Read Later – Emails that don’t require action, but you do need or want to read content. There’s nothing like a fun word equation when trying to change your email habits. Try to implement The 4+1 Action Ds strategy, and you’ll be well on your way to a cleaner inbox! » Delete It – Ask yourself, do I really need this? Is it part of my job? » Deal with It – If you can deal with it in less than two minutes, just do it immediately. When you are done with the message, put it in an ARCHIVE folder or FOLLOW-UP folder if it needs follow-up by you or delete it. » Defer It – If it will take longer than two minutes but less than one hour and is part of your job, move it to your ACTION TODAY folder. If it’s longer than an hour, plan it into your calendar. » Delegate It – If it requires another’s action, include clear instruction (what, by when, how, next action, answer to be sent, etc.) and follow-up and archive it. » Done – Keep moving when you’re processing your inbox. You can’t get distracted by links, attachments, or even new emails. GPUG

GPUG®: How did you become owner of Sierra Workforce Solutions? Mike Christiansen (MC): While I worked in various jobs once out of college, I always really wanted to do my own thing. I bought Sierra in 1997 and have never looked back. It’s a passion of mine to help and motivate people to work harder and be more productive. I can do that internally with my team and externally with our clients. It’s an interesting line of work to help other companies optimize their workforce. GPUG: Has Sierra always focused on timekeeping solutions? MC: Before I bought the company, Sierra resold accounting packages. When I came on board, we created time-keeping solutions for Microsoft Dynamics GP. GPUG: What type of solutions do you offer Microsoft Dynamics GP Users? MC: We provide time-and-labor tracking software as well as the hardware and have recently added a human resources (HR) module to that. Simply put, we help companies with job costing, business intelligence, ACA compliance, scheduling, and workplace security. All of our solutions integrate with Microsoft Dynamics GP. We specialize in integrating data into Microsoft Dynamics GP, taking employee information from Microsoft Dynamics GP, and then integrating time data back to payroll and/or project accounting. We have options that address the need for cloud and mobile solutions. A hot topic lately has been scheduling, and we offer a range of options with flexibility for skillsets, complex labor rules, and sales volume. GPUG: What type of companies do your solutions work well in? MC: We have a wide range of clients. Size can vary from five employees to 5,000 employees and more, often working in multiple locations. So we have experience with SaaS and on-premises implementations with a distributed workforce. We are a perfect fit for any company that needs

time tracking, and, really, most all industries need support in that area to show productivity and reduce costs. For service-oriented companies, it’s especially beneficial so they can estimate jobs properly through job costing and show where they’re being profitable or where they’re losing money. GPUG: What do your Customers like most about you and your products? MC: We save companies a lot of time. Our solutions are tightly integrated, so it’s seamless for Users. We pride ourselves on our Customer service and have a 93 percent retention rate year over year. We look at ourselves as a payroll Partner, helping companies get their payroll done on time. If you think about it, it is the basis of how companies run. Employees need to get paid and on time. There are also more and more compliance and reporting regulations around this area of business put into place by the government, such as ACA reporting, so we’ve been helping companies with that lately, too. GPUG: What do you have coming up for Users as related to the release of Microsoft Dynamics GP 2016? MC: We’ll keep doing what we’ve been doing. We take a lot of pride in staying on top of Microsoft Dynamics GP releases. The team is always working with our clients and prospects to add functionality to our integrations. With that growth have come a few major growing pains, including the necessary transition from manual to automated processing. Mitch West, business systems specialist at Cali Bamboo, explains, “Before we did electronic data interchange (EDI), we were manually transferring files via FTP and simply couldn’t keep up with the rapid increase in transaction volume.” This time-consuming process originally took up an entire 12-hour workday for one employee at Cali Bamboo. In the midst of this rapid period of growth and change, Cali Bamboo brought Lowe’s on board as a customer – instantly amplifying the volume and complexity of their EDI (Lowe’s requires a large number of varying types of EDI transactions, customized to their specific environment). As Cali Bamboo considered the immediate increase in demand, they knew manual operations simply wouldn’t cut it. After months of trying to configure a solution to Lowe’s requirements with their original EDI provider, Cali Bamboo began searching for a better alternative. City Wide Maintenance is a facilities maintenance and management company in the building maintenance industry with more than 50 years’ experience managing more than 20 facility services, including janitorial services. They have more than 40 locations throughout the U.S. and have been using Microsoft Dynamics GP since 2005. Back in those early days, City Wide made a few rookie mistakes on their approach with Microsoft Dynamics GP, then Great Plains. After 10 years of tweaking the system, they ended up with more than 200 customizations – which brought them to a screeching halt when faced with solution upgrades. Ken Miner, director of operations, says, “We finally came to a point where we were stuck and unable to upgrade at all.” City Wide was also managing their IT network in-house. Ken shares, “We’re really great at facility management and helping our customers, but we’re not so great at network or system application and administration.” In their search for a hosting Partner they ran across NetStandard, a firm that specializes in both Microsoft Dynamics GP and Microsoft Dynamics CRM. “NetStandard really has it all. Needless to say, mobile uptime is crucial, and NetStandard has helped greatly improve that uptime for our mobile users.” NetStandard has also helped City Wide build and design toolsets to proactively manage their network. “Before, we were reactive in how we managed our network, and now, I don’t have to anticipate all the contingencies as we roll out each initiative,” Ken concludes. “NetStandard is a great Partner in helping us navigate the project.” As they complete their implementation project, City Wide feels grateful to have the right resources available and a more experienced team by partnering with NetStandard.
