Growing from Shortcuts

t’s now the season Midwesterners in the United States eagerly await – summer is here! Similar to past years, the Q2/Q3 issue of GPUG® Magazine focuses on shortcuts to save you time in processes. I make my home in Minnesota, and that can bring long winters and a lot of time indoors. Since not many people want to go out in the cold, working inside isn’t that bad. However during the summer season, I look for every shortcut I can find in order to relish my time outdoors doing the things I love. (Those who know me are aware that I live for pontoon time.) I don’t think I’m the only one that feels this way, as having more time to do the things that fill us up is a very welcome thing indeed. This issue’s articles and Tips & Tricks might just help get you out of the office on time (or early) to enjoy family and friends, a favorite pastime, a new hobby, etc. We also profile fellow Members so that you can better understand who makes up the GPUG family. We love showcasing these talented Members! GPUG Summit is a great place to connect with Members, and we’re busy planning this year’s event, which will take place October 13-16 in Reno, Nevada. It’s a destination not only for learning and networking, but also for sightseeing to witness the beauty Reno and Lake Tahoe offer. We hope you join us at Summit; it will be the largest gathering of Members yet, with around 1,100 people expected. Similar to past years, around 70 percent of those are fellow Users of Microsoft Dynamics GP. We’ll have more sessions than in the past (anticipating more than 200), so you’ll go crazy (in a good way) with learning and networking! Our conference is one-of-a-kind because all sessions are presented by volunteers. These are fellow Members who want to help their peers use Microsoft Dynamics GP to its fullest potential. SoCal Chapter Dons Red Noses for Charity The SoCal chapter of GPUG lightened it up during its May meeting to celebrate Red Nose Day, a campaign dedicated to raising money for children and young people living in poverty by simply having fun and making people laugh. (INDIANAPOLIS) Chapter Leader Denise Brown, assistant controller Hoosier Energy Dbrown@hepn.com Denise Brown, assistant controller for Hoosier Energy, is helping the Indiana (Indianapolis) chapter bloom with Microsoft Dynamics GP User activity. “We’re looking to focus on Management Reporter at our next meeting, and then we will focus on workﬂows in Microsoft Dynamics GP 2015 in our ﬁnal meeting of the year,” says Denise. The most popular meeting to date brought the group to the Indianapolis Motor Speedway. “We were there during a practice day and had a suite on Legends Row,” says Denise. “That meeting’s presentation on security and audit features within Microsoft Dynamics GP was delivered by Liz Piteo from FastPath. After the meeting, ever ybody received free admittance to the track to watch practice for the Indianapolis 500.”

Jacob Kirby, accounting manager for ConServe, has been leading the New York (Rochester) GPUG® chapter for nine months. The group is oﬀ to a great start with 26 active attendees, and Jacob has his sights set on continuing to provide value to his Members. “Being a new chapter leader has been a great experience, and I have learned a ton since we started,” says Jacob. “I really enjoy meeting other Microsoft Dynamics GP Users and learning how they use the product. It is also nice to hear other Members’ experiences with Microsoft Dynamics GP and help ﬁnd solutions to their problems.” The group’s July meeting featured presentations on integration products for Microsoft Dynamics GP, with a Partner Member presenting SmartConnect and Integration Manager, and the October meeting will focus on a GPUG Summit experience recap, as well as a potential Partner Member presentation on business intelligence. “I look forward to seeing how our chapter evolves over the coming year,” says Jacob. “The ability to network with Users in our area that have expertise in the product has proven to be invaluable and has helped us solve some of our issues.” GPUG

r. Beer® is the world’s largest supplier of do-it-yourself (DIY) homebrewing kits. In 2012, the company was purchased by Coopers Brewery, which is the largest independent brewery in Australia and the worldwide leader in supplying the malt that Mr. Beer uses in its homebrewing kits. Coopers recognized the signiﬁcant growth opportunity that existed in the United States with homebrewing and Mr. Beer. Having a real brewery behind its products is what makes Mr. Beer unique and provides an advantage in being able to oﬀer a continuous stream of innovative, high quality, and easy-to-use products. Rick Zich, president of Coopers, says, “Brewing is a very fun hobby, but it does take time, so we want to make sure that the homebrewer can rely on consistent and fast results with Mr. Beer products.” Back in July of 2012, Rick and his IT colleague took on the task of implementing their own Microsoft Dynamics GP solution at Mr. Beer. “I had experience in business system setup and worked alongside a great IT expert, so we took it upon ourselves to put everything together,” Rick recalls. Since then, Rick has moved up in position from controller to president at Mr. Beer and along the way has shared his expertise with the GPUG® community by presenting sessions at Summit and serving on the GPUG Advisory Board. He’s also set the stage for synergy with his own team and Microsoft Dynamics GP.

The Power of CrossTraining With a small set of six Users at Mr. Beer, Rick has specific processes for each person on his team. And each person knows everyone else’s processes as well. Rick shares, “My Users are well-trained in the entire scope of Microsoft Dynamics GP. Everyone knows how to do everyone’s job. My accounting manager knows all the functions, and the same goes for my IT specialist. Cross-training has worked well for us because what one User does affects other Users in our company, as it should.” Knowing the solution inside and out helps the team stay productive and creates more accurate data. Rick places a strong effort on consistently training his employees. “As president, it’s my job to make sure people are updating their skills and that they have access to the right training opportunities.” Rick continues, “If you’re not constantly training your employees, you’re wasting that valuable resource.” In addition to taking advantage of GPUG resources online, Rick also conducts regular trainings for his employees, such as how to leverage refreshable Microsoft Excel reports so that his non-Users can view valuable Microsoft Dynamics GP sales data.

Getting Behind the Data “I think starting in a different role has really helped me understand the importance of data and getting behind our system as well as our Users,” Rick says. “If you don’t have data at your fingertips, you are going to lose. So every day I make an effort to embrace that data, learn how to use it, and teach my employees how to leverage it.” Embrace that data, he does: From specialized dashboards to SmartLists, Rick actively checks reminders, tasks, and the progress of his team first thing each day. “Microsoft Dynamics GP helps me access the information I need to lead in a productive way,” he shares. In addition to using the business intelligence (BI) generated by Microsoft Dynamics GP daily, Mr. Beer has automated business processes with a few key integrations in the mix:

with Microsoft Dynamics GP saves Mr. Beer from inputting thousands of invoices each day, and the information is more accurate with automatic price checks. » Order Processes: With SmartConnect and Magento, Mr. Beer automated the order import and export to and from Microsoft Dynamics GP. “We weren’t too keen on manually inputting 100,000 orders each year,” Rick says. » Payment Processing: Magento automates this process at Mr. Beer by exporting the information to a secure ﬁle server and then posts it within Microsoft Dynamics GP.

User-Generated Gold Even with his years of experience, his active involvement in GPUG, and his climb up the company ladder, Rick is modest: “If I’ve thought of it, someone else has thought of it before,” he shares in reference to his thoughts on GPUG. “GPUG has become such an important resource we can count on, and it is User-generated, which is even better.” GPUG

SOP Quick Print Feature and Microsoft Dynamics GP Window Ribbons by Mariano Gomez want to bring forth an issue in the Sales Transaction Entry window related to the cool ribbons introduced in Microsoft Dynamics GP 2013 R2, and now a standard part of the application navigation. By now you are probably getting used to the absolutely gorgeous User interface that features Microsoft Office-style ribbons on every window. Furthermore, you probably already know that the use of such ribbons is actually customizable and in many ways optional – albeit being the default configuration – as described by fellow Microsoft Dynamics GP MVP Leslie Vail in her article GP 2013 R2 Ribbons (http://dynamicsconfessions.blogspot.com/2014/06/ gp-2013-r2-ribbons.html). As it turns out, there’s a Dex.ini switch, EnableWCRibbons=FALSE, that controls whether ribbons are enabled within Microsoft Dynamics GP or not. When ribbons are enabled, Users can further customize the appearance of the action pane or return to the traditional menu bar for each window. Yesteryear (2009), I wrote an article titled “The Wonders of CTRL+Q: Saving and Printing SOP Documents in One Step”

(www.dynamicsgpblogster.blogspot.com/2009/05/wonders-ofctrlq-saving-and-printing.html) and how the Quick Print feature made life easier for the poor souls out there who needed a quick shortcut to printing SOP documents from the Sales Transaction Entry window. In that article, I detailed the mechanics behind the feature, written by my good friend David Musgrave (www. winthropdc.wordpress.com). As fortune would have it, when ribbons are enabled and you are either using the Action Pane or the Action Pane Strip layouts, the Quick Print feature does not work. However, if the User Preference is returned to Menu Bar (you will need to exit Microsoft Dynamics GP and re-launch for the changes to take effect), the Quick Print option (and CTRL+Q keyboard combination) works just fine. While clearly an inconvenience, this can hardly be labeled a bug since the feature is still present within the application when the Window Command Display setting is set to Menu Bar as part of the User preferences. It would be nice, however, to have this fixed for Microsoft Dynamics GP in desktop client mode. I can see how this may or may not work under web client mode as the browser keyboard shortcut combinations take precedence over the application’s shortcuts. ared Hall joined Microsoft nine years ago, working in Microsoft Dynamics GP technical support where he learned everything about the product. After four years, he applied for a program management position and moved over to the R&D team to work primarily on financials and be part of the workflow redesign in Microsoft Dynamics GP 2013 R2. GPUG® sat down with Jared to talk about his work and the reward that comes from making Users’ work lives better. GPUG: Microsoft Dynamics GP 2015 R2 was recently released. What are some of the features that Users will be excited about? Jared Hall (JH): There are a lot of little things that people get excited about. GPUG: Like being able to select a printer? JH: Exactly! We spent a year and a half building a workflow system, and people are more excited about selecting a printer! Microsoft Dynamics GP is solid as a financial system, and since the “big stuff ” is already there, the last couple of releases have been more about taking the feedback we receive and working on incorporating as many of those ideas as we can. GPUG: Which parts of the release did you work on? JH: I worked on the tweaks to financial reporting, one of which improves the SmartLists and how the information is displayed so it’s easier to see, understand, and build Excel dashboards. It was a fun feature to work on. Typically, program managers do the research and design of features. We go out, have discussions with Users and Partners, research IRS regulations, and then write up the requirements so the developers working on the code know what the feature needs to do. By the time a release comes out, a lot of the program management work for that release has been done for quite a while. Our focus then shifts to having meetings three times a week to make sure any blocking issues are taken care of. I’ve

also started working on feature work for the next release. GPUG: You mentioned a review of IRS regulations. How do you keep on top of that? JH: Most regulations don’t change that much, and oftentimes Users will give us a heads up when something is going to impact them. The biggest area I have to worry about is ﬁxed assets, as I need to make sure I’m up on changes happening with that as the IRS makes changes to depreciation elements. In turn, Microsoft Dynamics GP needs to put limits on depreciations. Those changes – and a general check for system compliance – are added to the code each year. GPUG: You’re working on a quicker release cadence now. How has that been going? JH: So far we’ve been able to hold to that. We were worried at first that Partners wouldn’t want the faster release cycles based on the need to upgrade their Users more often, but the updates are no longer huge events, and people are enjoying them. GPUG: We’re fortunate to have you quite involved with GPUG. Thank you for that! JH: We have a good relationship, through lots of GPUG Summit presentations and regional chapter meetings. Using the presentations to share new features and get feedback from Users, both about the feature and what they’d like to see in future releases, has been valuable. We get the group together in discussion mode, talking about tips and tricks and hearing their top concerns so we can make changes. It’s nice to be able to not only help out GPUG through the sessions, but also get feedback through those discussions. GPUG: Which of your sessions gets the most positive reaction from Users? JH: The most popular sessions are building

ﬁnancial dashboards in Excel. A lot of people look at it as a spreadsheet program, but when you do a session showing the breadth and depth about what they can do – pulling in data from Microsoft Dynamics GP and making colorful charts and graphs – people get excited. Users also seem to enjoy sessions about new features and functionality that will be available in upcoming releases of Microsoft Dynamics GP. GPUG: Outside of events, what else would you recommend for Users looking for information from your team? JH: The Microsoft Dynamics GP marketing team posts blogs about new features in the days leading up to a release. Another good forum is the MVP community, as many of the MVPs active in GPUG have their own blogs and stay close to what’s going on, not just what’s coming out but how to use existing functionality. I’m continually impressed with the type of information that is moving around the community. GPUG: What’s the most rewarding aspect of your role? JH: The moments when I have the most satisfaction are when I go to a conference and stand on stage to present a new feature and see the excitement that comes from that information. That selecting a printer feature we were talking about got HUGE applause. It’s fun to be on stage and hear that type of reaction. When you present to accountants and see what will make their lives easier – after you’ve spent six months to a year going through all design and changes and then release the code and see how it’s going to aﬀect your Users – that’s where you see the real reward. It is hard to keep up with at times, but keep up with it we will! While new features are always being made available, much of the standard navigation within my favorite ERP application remains wonderfully consistent. That having been said, here are some quick navigation tips I use in my day-to-day duties at Dynamic Communities. Whether youâ&#x20AC;&#x2122;re current with Microsoft Dynamics GP 2015 or on a not-so-current version, this bakerâ&#x20AC;&#x2122;s dozen list is for you. Go!

hand on “Tab,” right hand on mouse, and you’ll always be good to go. Tabbing out of a field tells Microsoft Dynamics GP you’re finished entering data there. Once you’re comfortable with this, your speed will increase – I promise. On the keyboard, use <Ctrl>+L as a substitute for a mouse-click on a looking glass when your cursor is in a master record field, such as Customer ID. The latter gets the job done, but your fingers are already on the keyboard most likely, so the former is pretty efficient. When looking up a master record, a “Lookup Window” appears, which has a default sort order by the ID you’re searching. Click on another header in that window, and the sort order as well as “Find by” at the top of the window change accordingly. Microsoft Dynamics GP caters to your needs in short order! Forget the drop-down menus on the toolbar up top already and start navigating Microsoft Dynamics GP with the large tiles in the bottom-left corner of the application. On each area page, the palettes stay put (unless you rearrange them), and you can get around the system very easily and arrange your palettes the way YOU want them (if using Microsoft Dynamics GP 2013 or later versions). Start today. Navigate your account balance data by using the “Account Rollup Inquiry” window. This has to be THE most overlooked window in the system, yet it does so much! It’s an inquiry item on the financial area page, remembers the inquiries you build, doesn’t require consecutive accounts, and saves you time since running a financial statement to get rolled-up values isn’t always efficient. It’s easy to figure out and even supports calculations. It’s a winner, trust me. Help. It exists in every single window. Locate the blue “?” icon or simply press the “F1” key in any Microsoft Dynamics GP window, and detailed help is instantly available. Be it a general overview, information on fields, buttons, or whatever, Microsoft Dynamics GP comes fully loaded with comprehensive help so you can swim on your own more often. Dates in Microsoft Dynamics GP are easy – use the calendar icon or simply type your date in the oldfashioned way. Type in the day value, and watch current month/year populate automatically for you. Browse buttons are frequently found in the bottom-left corner of many Microsoft Dynamics GP windows, and you can browse master or transactional data very easily. The adjacent drop-down gives you browsing options to pick from, so don’t forget about that while you’re scrolling through records. Those little blue arrows you see in lots of Microsoft Dynamics GP windows are referred to as “Expansion Buttons”, and they open ancillary windows related to the field they’re adjacent to. It saves on window real estate, yes, but some of the fields stored in these extra windows can be very helpful if utilized properly. Underlined field labels equal drill-down capability, so if you find an underlined field name, be it required or not, drill-back capabilities (provided you have adequate security privileges) are available to you. This is great for adding customers, vendors, payment terms, etc., on the fly. Notes – There are two kinds to know about: Window notes and field notes. Little note icons adjacent to fields are for those fields only, and you’ll find a lot of them in Microsoft Dynamics GP, too. Window notes are near the bottom of a Microsoft Dynamics GP window and not near any particular field; they’re great for listing window-based procedures. Avoid getting these note types confused, if at all possible. Help>About Microsoft Dynamics GP gives you your version information. Find this menu item when choosing the round blue Help icon in the upper-right corner of the home page. And, for those who are already enjoying Microsoft Dynamics GP 2015+ code, the “User Preferences” window has a Windows Command Display drop-down that allows you to adjust the size of the window ribbons (if you choose) introduced this year with the traditional client. Macros Are for Everyone (I Promise!) by Shawn Dorward

What is a Macro? First, it’s important to understand what a macro is: I could copy and paste the deﬁnition but instead, let me say this: Macros are an important, yet often overlooked, solution to replicating repetitive tasks that ANYONE can create and use to make their processes quicker and easier.

Why don’t folks use macros more often?

you always running speciﬁc reports each time you prepare to run payroll? Are you opening a SmartList the same way just to export it to Excel? (Okay, macros will work, but if you do this, look into Excel Refreshable Reports or SSRS Reporting instead.) Macros do NOT need to be used for things you ALWAYS do, but sometimes that’s the best place to start. Once you get this down, start applying macros to things you do often. Let’s use the Select Payables Check Window as our example.

Since macros can be tricky to get to work properly, they are often ruled out as a good tool to use in organizations, so let’s not overcomplicate it. For example, they must be run from the same starting point each time they are run. Let’s simplify it if we can: Maybe it’s best to run from our home screen each time and record the clicks that get us to the right windows instead of starting the recording on that window. Sometimes that isn’t possible because the macro needs to be run from a master card in Microsoft Dynamics (Customer Card, Employee Card, Batch Window, etc.). Nonetheless, don’t be intimidated. An investment now will pay oﬀ in the long run!

Why Should I use macros? I have heard accounts of folks successfully using macros instead of customizations and saving HOURS of processing time each month. Not to mention, I personally have used macros to enforce reminders, assist Users through their normal functions with less keystrokes, AND help increase accuracy. So, it’s not a matter of why should you…but more, why are you not? Interested? GREAT! Let’s walk through a few things to hopefully help you on your way to saving the world.

Find the purpose! With all the cool things that macros can replicate for you, it’s important to get the concept down and apply it to a repetitive task that makes sense. A good starting point is to think of anything you do the same, each time. Are you frequently (or even always) changing settings when you open your select check window? Are

Let’s do this! So, hypothetically, we come into the Select Payables Checks window, and we make some changes: We change the toggle on Take Non-Qualifying Discounts and then we uncheck the Returns and Credit Memos boxes under the Automatically Apply Existing Unapplied option:

Next you will see a Name the Macro window pop up. This is where you will save the macro file. Each macro has a file that controls what it does; the file has the steps that will be performed when we run the macro.

And we do this a lot (or maybe even every time!). Maybe not EVERYONE who runs checks does this, and that’s okay (that’s probably why it isn’t a default setting), but I do…so that means I can make a macro and save some time! So here’s what I want to do; I want to create a macro that: » I can run anywhere in Microsoft Dynamics GP » Will open the Select Payables Checks window » Will uncheck the Credits and Returns boxes » Will check the Take Non-Qualifying Discounts box » Will open the Batch Lookup Window Since I want to run this macro before the batch ID is selected, I will start recording from my home screen. This will allow the macro to be run from anywhere in Microsoft Dynamics GP. While on the home screen, I will go to Microsoft Dynamics GP/ Tools/Macro/Record (note from the image below that I can also use Alt+F8 to prompt the recording option as well.

Give the macro ﬁle a meaningful name. We will call this one Select Check Settings and choose save. KEY: Once we hit save, the macro is now recording.

The VERY next thing you do is begin following the steps you take to complete the task: » Click on the Purchasing Module » Click on Select Checks link » Uncheck Credit Memos/Returns » Check Take Non-Qualifying Discounts » Hit the magnifying lookup to select batch Now the Payables Batch IDs window is open, and it’s time to stop recording. Remember, we are picking the batch manually AFTER the macro has run so do not record that part (this allows us the diversity with the macro). To stop the macro from recording, hit Alt+F8 or go to Tools/ Macro/Stop Record from the lookup menu.

Put it to work! Now that the macro is recorded, we should test and see how it works. If it doesn’t work like we expected, delete the ﬁle and try again. If it works as expected, GREAT! Let’s create a shortcut so we can access it quickly and easily. Go to the home screen and right-click on the navigation pane and choose Add > Add Macro.

Once you have set up the shortcut window, choose add, and this shortcut will now be added to your home screen navigation pane. TIP: Make a folder on your home screen navigation pane for all your macros – this will help you find them quickly. Also, naming macros with prefixes might help organize them in conjunction with the steps involved with routine processes (1 – XXXX, 2 – XXXX, etc.). Now find the macro on your shortcuts, and click it to watch your work happen like magic!

Advanced food for thought! Once you master recording and playing macros, try researching tips on how you can modify the macro file (or use copy/paste) to make even cooler macros! Next you will get an Add Macro Shortcut window: Give the macro a meaningful name, and then select browse to find the macro file you saved earlier. Tip: Match the Shortcut name to the file name for easy troubleshooting. Select the macro file. You can also give this macro a keyboard shortcut! (If set, the macro will run when the keyboard shortcut is used.)

Wrap it up! This feature is included with Microsoft Dynamics GP, and every User has it. If you don’t see the options, check with your administrator for security access. Want to take it a step further? There are products out there that work WITH macros and do even fancier things such as automatically run a macro when you open a certain window or perform a speciﬁc task.

This was a very simple example, and hopefully it got your gears turning. Now, that may not sound like much, but imagine keying in a payables transaction, and after you enter the purchase amount, the distribution window opens automatically! (That’s pretty cool!) CA: Yes, there’s a difference from upgrading version to version versus making huge leaps. The more up-todate you are, the easier it is. BA: Not only do Users need to stay current on Microsoft Dynamics GP, but they also need to stay current on Office as well. The easiest and most cost-effective way to do that is Office 365.

GPUG: Given this, who should be first in line for Microsoft Dynamics GP 2015? CP: If Users aren’t already on Microsoft Dynamics GP 2013 R2, they should implement Microsoft Dynamics GP 2015. Workflow also previously scared people off because of the different SharePoint requirements, but that is now native in Microsoft Dynamics GP 2015. So people who want more Workflow functionality, but don’t want to invest in ISV solutions, can achieve this pretty quickly right out of the box. CA: Business Portal and SharePoint are not fun at all to implement outside of Microsoft Dynamics GP. It’s certainly a lot better to have it all in-house instead of going out to SharePoint. BA: Yes, it really depends on how old of a version you’re running. Anyone who hasn’t already implemented ISVs like KwikTag or ReQlogic can benefit from 2015 because of the new document management and accounts payables batch approvals.

GPUG: What should Users know in terms of cost and licensing for Microsoft Dynamics GP 2015? CP: If they’re still on 2010 and going to go to 2015, then there’s a licensing transition from Module Based Licensing or Business Ready Licensing to a Perpetual Licensing Model. With Perpetual Licensing, Users get unlimited Management Reporter (MR) viewer licenses, which makes it easy and cost-effective to get financial data out to the entire organization. They also get unlimited Users on Microsoft Forecaster and unlimited employees if they already own Payroll. We didn’t have a chapter, so I talked to Whitney and got approval from my company to head one up. I hadn’t attended a meeting before, but the idea of having a community to get help and ﬁnd “ﬁx-its” that save me time and my company money was huge. We now have 41 Members and consistently have 12 people per meeting.

I’m a User. I see the ﬁnancial side of things, and I’m not technical. There are a lot of people that are more technical and see the SQL side and know how Microsoft Dynamics GP is installed. These two types of people can mesh. We have a good mix of Users and technical people, which helps in getting answers from each side.

1. Grow our chapter a little bit. We have a good core group, but we haven’t seen new Members for a while. Our VP of membership is working on reaching out and getting more people to attend. 2. Get more information and feedback from Members via a survey.

Attend as many webinars as you can. They’re free to Members, and I try to get to as many as I can. Even if you get one tip out of a webinar, that one tip can save you lots of time.

THE BEST PART(S)

Leading the chapter is fun. We’re the ﬁrst people to know about new things coming in GPUG. There was a training day for chapter leaders at last year’s GPUG Summit, and I was able to brainstorm with other chapter leaders, gaining insight into what other groups do and seeing the issues they have. I also really like using the open forum on Collaborate to see other people’s questions and get answers to my own. I’m also enjoying the “Dig in the Sandbox Tool”. Deﬁnitely check that out to see the differences between the Microsoft Dynamics GP 2015 and your current version.

In 2005, k-eCommerce brought its solution to the cloud and opened its own data center where it now hosts websites as well, handling IT and web support, providing web design, and offering custom web development.

Our first integration as a company was with Microsoft Dynamics GP in 2004, and we’ve been committed to this community ever since. Through k-eCommerce, we offer Microsoft Dynamics GP Users one single point of truth to manage their web stores and utilize Microsoft Dynamics GP on the back end. This allows Customers to simplify the maintenance and communications between their web interface and ERP, which then allows for real-time information between the web store and Microsoft Dynamics GP.

GPUG: We’re covering business process automation in this issue. Can you describe how k-eCommerce helps automate critical business processes? GI: The major way we help automate business processes is by creating a business intelligence (BI) directional ﬂow of data between Microsoft Dynamics GP and our client’s web store to ensure that inventory, availability, and customer data is all available from their website without having to maintain a second database. Our solution also ensures that all customer orders are synced back with Microsoft Dynamics GP. This connection lowers operational costs and streamlines back oﬃce operations. Our clients can focus on growing instead of dealing with manual processes. k-eCommerce allows clients to not only manage their corporate website with our code and structure, but also to manage their web store if that’s a separate site. It’s a full content management system that greatly improves their business processes because there’s only one application to manage their corporate website and web store. You

GPUG: Why is a single point of truth so important for retailers using Microsoft Dynamics GP? GI: If their website and ERP aren’t integrated, they struggle to keep pricing up to date on their website and can’t see an accurate view of inventory, which

can make design changes once, and it shows across both applications, helping clients maintain a consistent online presence without making the time-consuming updates that impact their ability to scale. GPUG: What type of businesses benefit most from the k-eCommerce solution? GI: Industry stats show that B2B distribution companies will account for $1.1 trillion in the eCommerce market as of 2020. As such, the bulk of companies looking for eCommerce are distribution companies. They are focused on selling business to business (B2B), and today, only 25 percent of those B2B businesses actually sell online. It’s amazing to think we’re only seeing a quarter of companies selling online, but those that do are very successful. Distributors and manufacturers are the businesses that really need websites and that are changing their strategy to make online selling a priority. If you look at eCommerce right now, B2B websites are outdated and more focused on order entry. They now need B2B portals that are the same as retail portals, offering up self-service options, chat functions, availability, pictures, and data sheets. Consumers are demanding more from their online buying experience because that’s what they get when they shop online. GPUG: What do Microsoft Dynamics GP Users like most about k-eCommerce and your solution? GI: The fact that it integrates with Microsoft Dynamics GP to streamline their website maintenance is a major benefit that our clients rave about. They don’t have to manage two databases. They don’t have to enter price updates into two systems. All of that saves them a ton of time and sanity. They also appreciate that it’s an outof-the-box package, yet customizable to their needs. They know we keep future upgrades in mind, and they don’t have to build something from scratch.

We also just released responsive web design to coincide with Google’s latest hammer on businesses in regards to search engine results, so when clients sign up with us, they get integration between their web store and Microsoft Dynamics GP as well as a responsive website design. This allows for simplified maintenance of their web store from a coding standpoint to ensure compatibility across any web-enabled device, whether it be desktop, tablet, or mobile phone. GPUG: Why is a responsive web design so important? Are Users catching on to the importance? GI: Responsive website design is a best practice required from Google to rank well. If your website isn’t responsive, Google will no longer index it well, and your search engine ranking on mobile devices will go down. It’s really no longer a nice to have, it’s a requirement. We have businesses calling us just for this functionality. Forrester recently released a report that shows that 75 percent of businesses are implementing or laying out a mobile strategy because it’s the future in where transactions are going. That same report showed that 39 percent of mobile users research companies from a mobile phone, and if it’s not an attractive layout, they’re going to move on. They’ll see it as a disjointed experience, and it turns them off from buying or working with that company from the start. Businesses now know and recognize this truth, so yes, they’re definitely catching on to the importance. GPUG: You’ve been very active in the UG community. What’s your favorite part? GI: I love hearing from Users to see what they’re struggling with and educating them on what’s happening in the eCommerce industry. Most aren’t aware of what’s going on or don’t have the bandwidth to keep up with Google’s latest updates. I enjoy being the expert they can turn to. It feels good to educate people and help them stay proactive and ahead of the trend. GPUG

Since I’ve learned Microsoft Dynamics GP by the seat of my pants and with the help of a lot of people from the Forum, webinars, books, phone calls, correspondence, and at GPUG Summit, my “shortcuts” tend to be created like Johnny Cash’s Cadillac: “One Piece at a Time”! One that I cobbled together recently uses Victoria Yudin’s “SQL view with security and SmartList details in GP” as the data source for a refreshable Excel pivot table. The pivot table allows me to: 1. Find a particular resource in the list of all of the Microsoft Dynamics GP Resource Descriptions and who can use it. 2. Find out what Tasks and Roles contain that resource. 3. Slice and dice the security information in convenient ways. For example, we can now give our auditors a report showing the functions in Microsoft Dynamics GP assigned to each person on our accounting staﬀ so that they can be assured that proper accounting controls are in place. Management Reporter YTD Transaction Detail Report Layout by MariAnne Woehrle he transaction detail report allows staff to start from the chart of accounts and then select their cost center so they can drill down to the individual transactions to see what was charged to their accounts. These screenshots show how to set up the transaction detail report in Management Reporter. This report is deployed to a Microsoft SharePoint 2010 site so staff can easily access the information, but it also works in the Viewer. When you open the report, it displays the revenue and expense accounts. The staff can then click on the reporting tree and pick their cost center where they can drill down to the line item details for each account. Staff can download the transactions to Microsoft Excel if they need to analyze the data. We chose to deploy this report in a SharePoint library to have one place for reports that staff could easily access. Start: Open Management Reporter Designer File – New Click on the Report Tab and enter the basic report type information Select Company – Detail Level (Financial, Account & Transaction) – Posted activity only Select Row, Column, Tree Type, and Tree

Why did you decide to enroll in the PCAP/PCAR programs?

My organization encourages personal development. Microsoft Dynamics GP is an amazing software with many complex abilities, in which my knowledge was limited. My goal by enrolling in the PCAR program was to learn how to use Microsoft Dynamics GP and increase my efﬁciency in accounts receivables.

Microsoft Dynamics GP was adopted in our company a few years ago, but upon review, it became clear that we weren’t leveraging the full potential of the software. I decided to attend the course to better understand the numerous functions available to us that can assist in our accounting procedures while also developing my skills and increasing my proﬁciency.

What did you enjoy most about this learning experience?

I enjoyed the interactive environment that allowed us to ask questions during the lessons. I also enjoyed learning about reporting in Microsoft Dynamics GP, as I use this function regularly. The time I save by understanding SmartLists and reports is priceless.

I’ve deﬁnitely enjoyed the ability to immediately apply what I learn in the classroom to the projects I’m working on in my company. I’m also very happy to share my newly earned knowledge with my coworkers so that they, too, can get better at the jobs they do.

How has what you’ve learned helped you in your career?

I better understand the month-end process and can produce quicker, more timely reports to various departments.

Taking this class has made me the subject matter expert in the company, which means that any time my coworkers have issues or a new problem to solve, they come to me for help. In addition, a lot of the goals that our accounting department has set for the year revolve around Microsoft Dynamics GP projects. Developing a greater understanding of Microsoft Dynamics GP has helped my team and me ﬁnd the best way to attain those goals using the full functionality of Microsoft Dynamics GP.

What do you value most about professional development?

I want to be an asset to my company. Professional development provides me with special skills and knowledge that help me perform at higher levels and makes me more valuable to my team.

Continually improving, learning, and growing are what is most important to me. Getting better means being more effective at my job, which ultimately means better results in less time.

What types of learning opportunities do you recommend to fellow Microsoft Dynamics GP Users?

I deﬁnitely recommend trying at least one course through GPUG Academy. Microsoft Dynamics GP is a very complex program that can do amazing things when Users understand its potential. GPUG Academy offers excellent training and support for every User, and increasing knowledge is a worthy investment in the long run.

I’d deﬁnitely recommend PCAR or PCAP. The level of depth that these classes went into isn’t an experience easily gained elsewhere. Going in-depth is crucial to developing a solid foundation of understanding while also providing space to grow complexity in functions and programs.

With more than 125 full-service, on-site pharmacies in 31 states, Genoa Healthcare is the largest behavioral health pharmacy provider in the country. Genoa merged with QoL Meds – a pharmacy chain that also provides services for behavioral health – on July 15, 2014 and finished integrating the two organizations this year. Before automating its AP processes with MetaViewer, Genoa had a one-person AP staff who utilized a very manual and undocumented AP process. “We knew that with the impending merger, carrying on with a manual process would become difficult for us to manage,” Deanna Brossard says. Prior to choosing the MetaViewer solution, Genoa had a myriad of manual processes committed to memory that it used in its AP department. For example, invoices for more than $500 were emailed to be approved by store managers. In addition, printing, scanning, emailing, and filing invoices decreased the AP department’s efficiency and made it difficult to keep track of where invoices were in the approval process. Since Genoa has implemented the MetaViewer system, solidifying AP procedures and processes into one system has been crucial to the training process, especially during the merger. “Since we’ve implemented, it has been so much easier to train people,” Deanna says. “We were able to automate a very manual process and now have greater visibility of the process from start to finish.” Rather than trying to remember all of the invoice procedures, all AP employees can now be trained on one fluid system that streamlines the process. MetaViewer has also allowed Genoa to double in size but keep the same number of AP employees. Because the MetaViewer solution has taken on much of the workload, it has prevented the newly-merged company from having to increase its AP staff. “We wanted the ability to grow and work smarter rather than continue to add personnel in order to maintain an outdated practice,” Deanna concludes. The solution has also helped Genoa exceed its goal of automating 50 percent of its invoices. Genoa has been 100 percent automated, and the QoL addition also became fully automated after the company databases were merged. MetaViewer has helped Genoa increase efficiency, cut back on filing, and has made the merger smoother and more fluid with a consistent and effective training process.

Oscar W. Larson Co. (Larson Co.) builds and services gas stations in the tri-state area of Michigan, Ohio, and Indiana, managing everything from underground fueling tanks to pouring concrete to setting up convenience stores. Larson Co. has been using Microsoft Dynamics GP for 13 years and were feeling the pains of manual document management 10 years ago from lost documents and dealing with a very slow invoicing process. Pete Wayne shares, “We needed a document management solution that not only integrated with Microsoft Dynamics GP, but also went beyond the basic document management functionality.” Larson Co. came across doc-link provided by Altec and has seen tremendous growth over the past decade. “We have had a great increase in volume over the past few years, and we simply couldn’t manage it all without doc-link. It would be brutal and take a lot more staff in our back office.” Pete continues, “Our back office personnel is scaled back because of doc-link, and we can hire more service employees to meet our customer demand.” Setting the stage for growth is just one of the benefits Larson Co. is realizing from doc-link. Being able to retrieve and access files electronically is a huge win and a quick ROI, but it was the business process analysis that forced Larson Co. to streamline operations. “I look at doc-link as an operations tool that helps us keep 10 core workflows, making our processes as efficient as possible. It forces us to go through each department to keep things streamlined,” Pete shares. Pete has recognized another major benefit in the accounts receivables and payables departments. “Companies don’t realize what you miss out on in terms of vendor discounts until you gain the type of insight that doc-link provides. It also speeds up the collections process tremendously so we have more cash flow to work with.” Larson Co. is seeing an incredible increase in productivity as a result of doc-link. “We cut so many hours out of our processes. We approached it as another way to refine our business processes,” Pete concludes, “and we built that around our document management system. Now the possibilities are endless in terms of our growth.”

Crescent Crown Distributing is the 10th largest beer distributor in the United States, distributing top brands from more than 100 suppliers. Crescent Crown uses Microsoft Dynamics GP for its financial management. Up until 2014, the company was bogged down with manual entry of its invoices and payments. With seven locations across two different states, it was very challenging to manually track down invoices, and Crescent Crown also lacked a good record of incoming invoices. Late fees resulted from limited vision into invoice due dates. Before Crescent Crown implemented docSTAR eclipse Smart AP Automation, everything was processed manually. The company scanned and entered tens of thousands of invoices and checks into Microsoft Dynamics GP per year. By fully integrating docSTAR eclipse within Microsoft Dynamics GP, Crescent Crown now has insight into every invoice and check in the system. “There are hundreds of miles between our facilities, and we require a VP at each location to approve the invoices. Now that it’s all electronic, we’ve streamlined our approval process and reduced errors, documents are no longer misplaced, and our late fees have gone down to almost zero,” Neil Baier says. “We save at least a few thousand dollars each year just by paying our invoices on time.” Combining intelligent data capture with the powerful workflow engine in eclipse, Crescent Crown imports and automatically routes invoices so each VP has immediate access to unpaid invoices that require his/her approval. “We’re simply much more proactive in paying our invoices on time, and we can be because of the great reporting and insight docSTAR eclipse provides,” Neil shares. Eliminating late fees was just the beginning of cost savings for Crescent Crown. The company has also increased productivity, saving at least four to five hours per week of work that included manual entry of invoices. “That’s about 250 hours of labor a year we can use on something more productive,” Neil explains. With a quick return on its investment of under a year, Crescent Crown is impressed with how easy the AP solution is and how responsive the docSTAR team has been. “docSTAR delivers exactly what they promise and unfortunately, that’s not always the case with other software vendors,” Neil concludes. “docSTAR eclipse has worked the way it should from the very beginning, and to this day, there hasn’t been a problem docSTAR couldn’t solve.”

Building a Multi-Company AP Balance Report (aka Using Microsoft Excel to Compare Files) by Belinda Allen, Smith & Allen Consulting, Inc. ho hasn’t had to take two spreadsheets and compare them to each other trying to find the proverbial needle in the haystack, aka the reason they differ by a $1? If there are a lot of lines, differing by $1 or $1,000,000 will make you equally crazy. As a Partner, I found myself recently having to do it yet again for the millionth time in 24 years. I was just about to scream when I thought, “What new Power BI tools in Microsoft Excel could make this easier?!” The clouds suddenly parted, and shining right next to the sun was Microsoft Power Query! Okay, it wasn’t that dramatic, but it did become a challenge to me, and you know I love a good challenge. Could I use Power Query to make this easier and repeatable? It turns out the answer is: “Yes, I can!” I’ll spare you the details on why I ended up needing to compare the spreadsheets I had and where/how they were created; that would take an entire book. But I can share with you the same process by walking you through building a Multi-Company Payables Management Balance Due. As you perform these steps, think about how you can use this same methodology to help you with problems! Let’s begin. What we’ll build: Multi-Company Payables Management Balance Due in Excel How we’ll get the data: We are going to build this using Microsoft Dynamics GP SmartList to export the data into Excel. Keep in mind that it is possible and more practical to build a refreshable report accessing the data directly, but I want to show you how to use a feature of Microsoft Power Query. You’ll need to download Microsoft Power Query first; find it at http://bit.ly/PQdownload.

» Let’s just use the default SmartList object for Purchasing | Open Payables. Open it up, and export it to Excel.

» When the data opens in Excel, insert a column at the beginning, give it the title “Company”, and enter a brief description of the company and copy to every row.

» On the remaining column, click on the double arrow icon. » All of the columns in the Excel ﬁles will display. The rows will » Create a folder that will be dedicated to the AP Trial Balance Files. We will store nothing else in this folder.

included in the Aged Trial Balance. Repeat steps 1 through 4 EXCEPT use a different company description for step 2 and save the file with a different name than in 4. (Yes, I know you are not an idiot and would not overwrite the first file, but your officemate might.) Continue for all the companies you want included in the report. If the EXACT same column layout is not used between files, this will NOT work. (Did I stress that enough?) With the workbooks from the previous steps closed, open a new workbook in Excel. Click on Power Query from the Excel Menu Bar, and the Power Query ribbon opens. In the Get External Data area of the ribbon, select From File | From Folder. In the Folder window, Browse to the folder that you created in step 3 above. This is the folder that contains all and only the CSV files. Click OK. The Query Editor will open. You will see a row for every file in the folder you pointed to in the previous step. Highlight all columns EXCEPT the first one (Content). When they are highlighted, right mouse click and Remove Columns or press the Delete key.

In the dropdown list for the second column (I do not use the column I created in case I did not spell the column header correctly in one or more files), choose the dropdown arrow. Select Text Filters | Does not Equal. In the Filter Rows window, add the column name. I chose the Vendor_ID column, so my window looks like the following. When finished, click OK.

I pulled data from Microsoft Dynamics GP in two different places, created a column in each to identify where the row came from, and compared. » In the Query Settings pane on the right, change the query Name.

» Highlight all the columns with currency amounts. Right mouse click and choose Change Type | Currency. » On the Query Editor ribbon, in the Close area, click on the icon for Close & Load. If you click on the arrow here, you’ll be prompted for Close & Load and Close & Load To… Select Close & Load; we want the data in an Excel table. » Once the data is in Excel, create the pivot table as you normally would. I put the Company field I created in columns, so I have one column for each company or each CSV file. So that’s a very quick and dirty Power Query-driven report. One of my teammates recently used Power Query to compare two budgets from Microsoft Dynamics GP, so the Customer could see all the differences between the two. Below are some additional comments and notes I feel I must share with you if you try this report: » I used a default SmartList object, so Returns, Credit Memos, and Payments showed up as positives rather than negatives, so the totals may not be correct. Make sure you use something that takes these documents into consideration. » Although you can create a refreshable report using similar techniques, you can update this report easily by replacing the CSV files with new ones, then choose Data | Refresh All (twice). You can add additional companies by just dropping in more CSV files, then choose Data | Refresh All (twice). Why do you have to refresh twice? I’m not certain, but I believe the first time refreshes the query and the second refreshes the pivot table. » When using this method, the column structure must be identical, or it will not work.

Geeking Out on You Here Going back to how I used this in the first place, I pulled data from Microsoft Dynamics GP in two different places, created a column in each to identify where the row came from, and compared. Not only did I add a row to identify the source, but I also made the net amount from one source be debits – credits and the source in the second to be credits – debits. The pivot table immediately identified all discrepancies. I also used SQL Views and accessed the view directly in Power Query rather than using the From Folder option. The use of views makes this repeatable and refreshable. I hope this article gives you a powerful reporting option and possibly a powerful research option!
