hile last year was downright excellent, culminating in the 10th anniversary of GPUG® Summit 2016 in my adopted hometown of Tampa, we’re already gearing up to exceed last year’s results – and Members’ expectations.

Believe it or not, GPUG Amplify is the ONLY Microsoft Dynamics end User event during the ﬁrst quarter of 2017! After a successful debut last May that featured the rollout of Microsoft Dynamics GP 2016, this event returns to Anaheim March 20-22 with a focus on decisionmakers. General application, reporting, and executive/leadership tracks are available, and we’ll throw in some industry roundtables, too. Like last year, GPUG Amplify is a Microsoft Dynamics GP-only conference and is intimate in size, not to exceed 500 registrants. We’re reinventing our annual Partner-only event in fabulous Fargo by inviting consulting and development resources to make their annual pilgrimage to the Upper Midwest August 7-10. The “reIMAGINE” name is gone; going forward we’ll host the “Microsoft Dynamics GP Tech Conference” each year. What does that mean for sales and marketing resources in the Partner channel? They’re welcome to join us pre-GPUG Amplify for a Partner-only workshop

We reached out to the award recipients to ﬁnd out what it means to receive this recognition.

Amber Bell, All-Star Let me start by saying that the GPUG community inspired me to start my own company. In 2015, I attended my first GPUG Summit. I was surrounded by people who were passionate about learning and sharing their knowledge, and I was able to meet some amazing people that shared my vision and belief that the foundation for the success of Microsoft Dynamics GP was people who were educated on how to effectively and efficiently use the product. Educated Microsoft Dynamics GP Users are the fuel that keeps the product alive. They are the people who push for new features and the ones who will champion and defend the product in a competitive world of ever-expanding ERP offerings. I jumped into doing as much as I could for the GPUG community because I love the people that I meet. I love helping them see the potential in the product and in themselves and their co-workers or employees. Being a GPUG All-Star means that my peers recognized that I give my time and energy to grow and strengthen our community. Being a GPUG All-Star means that all the hours behind the scenes (writing tips, preparing presentations, and traveling to events and chapter meetings) were appreciated. For me, this signals a new level of commitment and responsibility for me to help as many people as I can to learn about Microsoft Dynamics GP. In fact, within a couple months of being named a GPUG All-Star, I published my first Microsoft Dynamics GP workbook (a training guide for year-end closing).

Brian Lambertz, All-Star and Chapter of the Year leader Our Minnesota chapter was proud to receive the Chapter of the Year award! We wouldn’t have guessed when we held our ﬁrst meeting nearly six years ago that we would receive this prestigious award. I couldn’t believe it when they called my name to come up for the GPUG All-Star award, what an honor.

Frank Heslin, All-Star I was humbled and honored to be named a GPUG All-Star in 2016. I feel a sense of responsibility to continue to give back to the GPUG community. I take my lead from previously-named GPUG All-Stars who have contributed in countless ways to help GPUG grow and thrive, and I hope to be able to live up to the incredibly high standards that they have set. I remember how much I looked up to and sought out those All-Stars when I ﬁrst joined GPUG and was trying to learn anything and everything I could from them. Now that my name, along with Brian and Amber, will be included every time GPUG All-Stars are listed somewhere is still a little surreal…and cool! My one question is: Who’s next?

Jessica Raciborski, Chapter of the Year leader The Minnesota chapter is made of many great individuals who strive to help their fellow co-workers; it’s no wonder we were nominated as the Chapter of the Year. The greatest accomplishment of the group was co-hosting the Midwest regional chapter meeting in Fargo. There was a great turnout – some even considered it a mini Summit. The collaboration between the chapter leaders and Members allows us to bring in several great presenters throughout the year and make even more of an impact on learning and networking.

I couldn’t be recognized as Chapter Leader of the Year without the dedication of my chapter and the rest of our chapter leader team. They show up meeting after meeting and do exactly what GPUG is all about: Networking, connecting, and sharing. It is exciting to be a part of, and I truly enjoy leading the group.

GPUG Amplify 2017 will be held March 20-22 at the Marriott Anaheim, Anaheim, CA and welcomes Microsoft Dynamics GP end-users and business leaders to discover the latest solution innovations, attend educational breakout sessions, and connect directly with Microsoft to learn about the latest release of Microsoft Dynamics GP. Educational sessions will be delivered by subject matter experts, as well as software vendors who specialize in these areas, to help attendees extend the reach of their Dynamics GP investment. “Last year, we [GPUG] worked quickly with the Microsoft Dynamics GP Product team and with the GPUG Programming Committee to create an event for Dynamics GP end users that focused on technical training and the Microsoft Dynamics GP Roadmap.” said Bob McAdam, GPUG Program Director. “We were conﬁdent in the event offerings, but we weren’t sure how the greater Dynamics GP audience would respond to the event.” GPUG Amplify indeed surpassed expectations with over 400 Dynamics users and partners who gathered in an intimate environment to take in great educational content from subject matter experts within the community and Microsoft representatives. Attendees had unprecedented access to Microsoft Dynamics GP Product team members and a Microsoft engineerstaffed Support Desk. Attendees were very pleased with Amplify and how it complements the GPUG event landscape. GPUG visited with Eileen Morales, a 2016 GPUG Amplify attendee, to learn more about why she chose to attend and the reason she plans to invest in attending GPUG Amplify in 2017.

Eileen Morales Morales is a Controller for the Cardiovascular Research Foundation in New York City. She has been using Dynamics GP for over 15 years. Starting in January, she will be the CFO.

What made you decide to attend GPUG Amplify? I hadn’t been to a GPUG event before; however, my partner, Njevity, Inc. and I discussed GPUG Amplify and decided it would be beneficial for me to attend. What value did you find for your job role by attending GPUG Amplify? I found I had a lot of new information and tips/tricks to share with my staff. After attending GPUG Amplify, I decided to start a Tip of the Week email with information that I learned during the event. The tips span from Dynamics tips, to Excel and Power BI tips. What value did you find for your company by attending GPUG Amplify? By collaborating with others at the event and attending the educational sessions offered, I was able to identify new ways and tools to help our company run more efficiently. What was your biggest take-away from GPUG Amplify? The biggest takeaway for me was discovering how engaging in the GPUG community, and its events, and having the opportunity to interact with others in my field and sharing our insights and experiences, is really the best way to learn. Why should others attend GPUG Amplify? GPUG Amplify is very informative and the educational offerings are really well thought out. I was surprised that I didn’t only walk away with new information, I also took away with me an experience that motivates me to execute and implement when I return to the office.

OKLAHOMA CITY CHAPTER LEADER Cindy Rose, Trinity Brick Sales, Inc.

“I joined GPUG® for the knowledge but was surprised by a wonderful community,” says Cindy Rose of Trinity Brick Sales, Inc. That statement is exactly why GPUG was created and why it’s thriving with volunteers such as Cindy and chapters like Oklahoma City, our Chapter of the Quarter. “Oklahoma City was without a chapter, so becoming the chapter leader and being able to bring the GPUG community to our local area has been very rewarding,” says Cindy. This group’s most well-received meeting focused on Power BI, where a veteran User demonstrated his company’s analytics and answered several questions via a test conﬁguration. “He has been using Power BI since its inception, and his company actively uses it for data analysis,” shares Cindy. “While we had attendees that were unaware of Power BI when they arrived, they left with enough knowledge to get started working in Power BI.”

Danny Clemenson, business analyst for Progressive Components, and Chicago chapter co-leader is the GPUG® Chapter Leader of the Quarter! Danny was quick to mention that he couldn’t lead the group without his partner in crime, Jon Colesby, a business process manager for Tampico. As co-leaders, Danny and Jon say their job is to get people together and have fun meetings that add value to the User community. “I love to see the light bulb going oﬀ when someone gets the aha moment,” says Danny. In 2017, the chapter plans to focus more on Customer showcases, bringing a show-and-tell feel to the quarterly meetings. “The Customer showcases are a great way to see how people are using Microsoft Dynamics GP along with the diﬀerent types of businesses that use the product,” says Danny. Their chapter attendance continues to increase, which is exciting for Danny. He looks forward to continuing to connect with Microsoft Dynamics GP Users throughout the next year.

he latest version of Microsoft Dynamics GP, Microsoft Dynamics GP 2016, kicks the User experience up a notch with the introduction of the HTML5 Web Client and a host of other enhancements for improved navigation and simpler access to data and reporting functionality.

It’s All in the UX

User experience (UX) is becoming an increasingly important success factor in enterprise resource planning projects, especially when it comes to measuring ROI. The rise of cloud and SaaS has led to more Users of complex management systems in diﬀerent types of enterprise roles. This is driving change toward a more consumer-like enterprise app experience. The enterprise now expects ERP to oﬀer self-service friendliness, intuitive navigation, analytical data tools, and device agnosticism. The Microsoft Dynamics GP team has responded to new enterprise requirements with more than 35 new features requested by Customers. Let’s look at some of the major enhancements in Microsoft Dynamics GP 2016.

The Era of HTML5 The release of Microsoft Dynamics GP 2016 in May marked a new era in cloud computing for the solution. With the new HTML5 Web Client interface, Microsoft Dynamics GP 2016 is the most cloudenabled version yet. At RoseASP, we have been delivering browser-based Microsoft Dynamics GP in the cloud for years, but the new Web Client will simplify Microsoft Dynamics GP cloud access from an end User perspective. Formerly powered by Silverlight, the new Web Client is now powered by HTML5 so it can be displayed directly from any web browser. Powering the Web Client with the ubiquitous HTML5 enables a deviceagnostic Microsoft Dynamics GP with a seamless cloud experience across devices and operating systems (including Mac and Chrome).

Visibility Boost Responding to the growing complexity of enterprise data requirements, Microsoft Dynamics GP 2016 introduces new features and enhancements to make high-value information simpler to access. Perhaps the most effective of these data enhancements are OData service and Power BI reports on the Microsoft Dynamics GP homepage. OData service standardizes API so Microsoft Dynamics GP can reference data across any business intelligence app that supports OData. This extends the powerful business intelligence potential that Microsoft Dynamics GP already offers. Power BI is Microsoft’s business intelligence app that delivers detailed analytical insights to help diagnose, solve, and prevent problems or inefficiencies within a business. With OData service, Power BI can integrate more seamlessly with Microsoft Dynamics GP so that Power BI reports can display in Microsoft Dynamics GP windows, including the homepage. Placing analytical insights right on the Microsoft Dynamics GP 2016 homepage aims at improving the User experience. This feature will help Microsoft Dynamics GP Power BI Users get a quick snapshot of the metrics they need to excel in their roles, accessing deeper BI insights in real time without leaving Microsoft Dynamics GP. Currently this feature is only available in the Windows Client, but expect to see it added to the Web Client in Microsoft Dynamics GP 2016 R2 later this year.

Reporting Efﬁciency Boost Several reporting enhancements have been added to improve the way Microsoft Dynamics GP 2016 interacts with data from Excel and SmartLists. In the new version, numbers that are imported from Excel will be formatted as numbers rather than text to streamline Microsoft Dynamics GP Excel reporting. Exception reports in Microsoft Dynamics GP 2016 were also incorporated for importing and exporting data from Excel with greater accuracy. These include duplicate account exception reports which will

display duplicate accounts, as well as general ledger and budget exception reports which flag accounts that have not been set up. These automated controls allow Microsoft Dynamics GP Users to import and export Excel data with less manual effort and more confidence in data accuracy, thereby improving the User’s ability to manage multiple budgets and perform advanced accounting practices with more ease. Microsoft Dynamics GP 2016 also reduces mouse clicks when working with SmartLists by enabling the User to import SmartLists directly from Designer or directly from a SmartLists favorite.

All-in-One Doc View All-in-one document view has been enabled in Microsoft Dynamics GP 2016 sales and inventory. This feature takes all purchase orders, receipts, and other documents related to a given sales transaction or a single inventory item and allows the User to view them all in one window.

Simple Upgrades and Hybrid Deployments As the Microsoft Dynamics GP team continues to make the product more mobile and cloud friendly, upgrading to new versions of Microsoft Dynamics GP will be simpler in the cloud, either through Azure or through a private hosting provider that offers comprehensive services for the solution. Microsoft’s push for a cloud-ready Microsoft Dynamics GP will also continue to simplify hybrid deployments across public cloud, private hosting, and on-premises environments. Moving an existing on-premises Microsoft Dynamics GP system to the cloud is still tricky. At RoseASP, we have been successful moving Microsoft Dynamics GP Customers to the cloud through a three-step process: » STEP 1: Determine the Customer’s current and future requirements regarding security, governance risk management, compliance, and growth, and choose a private, Azure, or hybrid model. » STEP 2: Work with their Microsoft Dynamics Partner to configure the Microsoft Dynamics GP cloud system to their needs and administer TEST and go-LIVE procedures. » STEP 3: Connect their Users and finalize monitoring of services.

How to Prepare a Flat File With Excel by Bert Green, Berger Transfer & Storage Inc, GPUG® User Member hat is a flat file? A flat file is a predefined string of alphanumeric characters where fields begin at a certain character number. A good example of this is the 1099 file that is sent to the IRS or an escheatment file to a state. In many cases, the program that is used will create this file for you. But if you need to create one yourself, as in reporting escheatment to the state, then using Microsoft Excel® is an excellent option. The very first item that you must have is the layout from the organization that you are to report this information to. It will tell you whether there will need to be a header line(s), detail (body), and/or footer line(s). In the layout, they will give you the number of fields and how they are to be formatted (ex: left or right justification, filled with zeros or blanks, etc.). Once armed with this information, the setup of the Excel sheet can begin. Set up a column for each field. Use the first row to let the User understand what data should be placed in the column. Then either off to the side or by using another worksheet in the workbook, on the first-row setup, let the User know what the default will be. If the field is filled with spaces or zeros, set up that many spaces or zeros. This will make it easier to create the functions to get the data into the correct format. Before we start to build the functions in Excel, let’s go over the ones that will be used most: » CONCATENATE, or in newer versions of Excel, CONCAT. Allows you to join strings of text together. » RIGHT and LEFT. Takes the number of characters in the string, starting from the left or the right. » TEXT. Allows you to change other types of variables into strings. Example: Change a number into a string; this is usually used on dollar amounts where the decimal is stripped out. Let’s start getting into examples of how to set up the formulas in Excel. I’m assuming you’re using another worksheet for the formulas. For the First Name, they have 40 characters, right justified, filled with spaces. The formula would be as follows =RIGHT(CONCAT( B$1,Detail!B3),40). Cell B1 was filled with an apostrophe (‘) followed by 40 spaces. So instead of B$1, you could put the spaces in double quotes (“ “).

Detail!B3 is referring to cell B3 on the Detail worksheet. CONCAT(text1,text2,etc) is used to string the items together. RIGHT(value,40) takes the 40 characters starting from the rightmost character. If the instructions were for left justified, you would switch the CONCAT values with each other, and instead of RIGHT, use LEFT. For the next example of a date field with six characters: The formula to use would be =TEXT(<cell location>,”MMDDYY”); MM for month, DD for day, and YY for the year. Dollar values are a combination of the two above. What they are looking for is a field that is 10 characters long, no decimal point – the last two digits being the cents, and filled with zeros. The formula would be =RIGHT(CONCAT(“0000000000”,TEXT(<cell location>*100,0)),10). There may be some fields that provide information that may need to be added manually. Once you have all the field information properly formatted, then you will use a new CONCAT statement to put all the fields together. This may take more than one CONCAT statement; I have run into a limitation of only being able to put 30 fields together. When I had a line that would consist of 48 fields, I did 30 and then 18. I then did one more CONCAT to put those two cells together. Also, at the end, the line consisted of 625 characters, which was for the detail lines. You would do the same steps for the header and footer lines, and then copy them to file in the order specified. PUG® Summit 2016 in Tampa, Florida last October was an amazing experience. It was the premiere gathering of 1,900 Microsoft Dynamics GP Users for role-based, Userproduced education and dedicated networking. GPUG Summit oﬃcially opened at the Amalie Arena with a compelling keynote experience from Scott Guthrie, Microsoft executive vice president, Microsoft Cloud and Enterprise Group, and Ray Wang, principal analyst, founder, and chairman of Constellation Research, Inc. Guthrie gave Summit attendees their ﬁrst look at how Microsoft applications are helping businesses engage with their Customers, empower employees, optimize operations, and transform products. Tuesday evening featured an opening reception and dedicated Expo hours for attendees to network with peers and more than 230 exhibitors with add-on products for Microsoft Dynamics AX, Microsoft Dynamics CRM, Microsoft Dynamics GP, Microsoft Dynamics NAV, and Power BI. Throughout the week, Summit attendees experienced 170+ educational breakout sessions focused on optimizing current Microsoft Dynamics GP implementations. aos is an infrastructure consulting and managed service provider. Day in and day out, they help companies with their IT needs, from being their service desk to working on

IT projects. Kerry Draper is the internal IT service desk, so to speak, as the company’s Microsoft Dynamics GP administrator. Having used the solution since the DOS days, Kerry does it all! In addition to managing reporting requests, upgrades, and handling technical issues, he also focuses much time on streamlining processes with system integration and automation. Taos has Salesforce and Kronos, a time-keeping application, that Kerry has integrated with their Microsoft Dynamics GP solution. Because of this integration, employees can leverage Web Client or the Business Portal to input their time. Kerry has acquired many best practices during his career using Microsoft Dynamics GP. Here he sums them up: » Test it all! “We have worked to maintain a very mature development environment. Nothing gets into production until it’s fully vetted. We have all our servers replicated into a diﬀerent environment where I can test it all; automations, window changes, you name it, before they are placed in production,” Kerry shares. » Make customizations cautiously. “We really try to be smart about the customizations we deploy. While we have a few, we are cautious so we don’t potentially cause issues when we upgrade.” Once a fan of Visual Basic customizations, Kerry has since learned that’s not necessarily a good practice. Now he uses Extender and the Modiﬁer for

simple screen changes or Dexterity for other customizations. He explains, “Everything is compatible with the clients this way, making it much simpler and easier to maintain.” » Go to the source when it comes to support. “For any third-party apps we do have, we go directly to the people making the product, and that has served me well,” Kerry says. For example, Taos works with Integrity Data for payroll, and Kerry had them develop Dexterity customizations to create a unique method of calculating bonuses. Kerry adds, “Integrity Data knows payroll better than anyone, and they were the right people for this job.”

SQL (and Kerry) to the Rescue! Kerry is a SQL buff and spends more time in that than anything else. He’s even written a delivery mechanism for company reports, automating the process of creating and delivering the report to the person who needs it within a day. This reporting, which includes data from Taos’s multiple systems, has greatly streamlined the reporting process for Taos. Writing scripts in SQL and deploying reports via SmartLists and SSRS are what works for Kerry. “I’m a bit old school doing everything in SQL, but it works and is great when pulling reports from different sources. We can deliver what the management team needs when they need it,” Kerry explains. With Power BI up and coming, Kerry is slowly learning the ropes there, too. “Power BI will play an important role in reporting going forward, especially on the delivery side. There’s so many different platforms to deploy it,” he says. “I think

that will be the future, but for now, old school is more eďŹ&#x192;cient and eďŹ&#x20AC;ective for our needs.â&#x20AC;? Taos has also recently implemented True Sky, a reporting tool specific for forecasting. True Sky is a powerful tool using Microsoft Excel on the front end and SQL on the back end. It delivers forecast templates to department heads, inputs data, and consolidates it with other systems for a huge outlook forecast on the company.

Kerry shares. â&#x20AC;&#x153;In addition to quarterly meetings, we put on a half-day session once a year.â&#x20AC;? Securing speakers for the chapter meetings is Kerryâ&#x20AC;&#x2122;s primary responsibility, and heâ&#x20AC;&#x2122;s enjoyed getting back in touch with people he knows in the channel. â&#x20AC;&#x153;I do an annual survey with our Members to see what they wish to learn about,â&#x20AC;? he concludes. â&#x20AC;&#x153;Reporting topics, Management Reporter, and SQL skills are all on the top of the list.â&#x20AC;? onnie Thompson, MIS ﬁnancial services manager for Alltech, Inc. and Kentucky chapter leader for AXUG®, delivered a great presentation at Summit 2015 on generational diﬀerences and how they impact the workplace. Users highly enjoyed Connie’s content and delivery, so we’re bringing the presentation highlights to you in an article form.

Key Presentation Objectives Connie’s presentation served three main objectives:

» Identify the unique characteristics of those generations in the workforce today » Understand the events that inﬂuence the perspective of each group » Embrace tips on communicating eﬀectively across the generations Now, how do your communication skills stack up?

Characteristics: The Power of Four Today’s workforce is made up of four distinct generations, each of which brings a unique set of experiences and traits – none of which are bad, just diﬀerent from those exhibited by other groups. These diﬀerent traits range from leadership styles to feedback desire and delivery to work ethic to education level. For example, to Traditionalists, Boomers, and Generation Xers, Millennials may not seem to have a good work ethic, but they are always connected, always check email, always online. The boundary between work and personal time is blurred. They’re also looking for empathy and understanding in their leaders as well as constant feedback. From the education perspective, high school was good enough for the Traditionalists. Boomers felt that college was important but not required to be successful. Gen X found that a college education was required to secure an acceptable job. The Millennials went directly for an advanced degree, due in part to the Great Recession and lack of job opportunities. In 2013, the U.S. Bureau of Labor Statistics reported that the workforce was divided as follows:

By 2020, the workforce will have experienced the birth of a ﬁfth generation, the I Generation (those now in high school who will have completed college), while the Traditionalists will be nearly gone. Boomers will begin to retire, and there are not enough Generation Xers to ﬁll the gap, so the Millennials will step up. Q1 2017 | 33

Inﬂuential Events World and life events have shaped each generation through their shared experiences which then translate into workplace traits (generally speaking, there are, of course, exceptions to each rule). To illustrate her point, Connie covered the shared experiences and most common workplace traits for each generation:

Fixing the Historical Aged Trial Balance by Bruce Strom, Associated Grocers of Florida, Inc, GPUG® User Member uman error is the primary cause of HATB discrepancies. Like the regular AR trial balance, if you do not click to exclude UNPOSTED APPLIED CREDIT DOCUMENTS, this guarantees that you will not balance to the GL. Article 866570 also advises that you check to exclude zero balance, no activity, and probably fully paid items also. And since the HATB report uses the document dates and apply-to dates to back into the AR/

AP HATB balances, transactions with next year’s date will totally drop off the report. On rare occasion, you may ﬁnd some hanging ancient transactions that appear on the AR/AP HATB report that need to be cleared. If you submit a technical support case with Microsoft Dynamics GP, they will send you some thorough diagnostic SQL scripts so they can suggest steps to take to resolve it.

This was an ancient invoice that was stranded on our HATB report. Notice how the inquiry screen does not foot. We found a credit memo in history whose amount was equal to the difference between the document amount and the applied amounts. This credit memo was missing its apply-to record in table PM30300; once we added that, the apply-to document was in balance. If you are moderately brave with SQL, you can fix the files; just grab the values in the files before you try the fix. You will likely only be modifying history files, which means minimal risk. The HATB uses the trial balance files as a starting point, excluding recent transactions after the HATB date, and adding back relevant transactions from the history file and the historical apply-to file. Recently we had to fix two transactions hung on our AR HATB file. One was out of balance by the discount amount; the apply-to file had a discount amount double the discount in the history record. The discount was under $10; we tried to match the discount amounts, that didn’t work, so then we just zeroed out the discount amount in the historical payables tables and the historical apply-to table, and the bogus HATB transaction disappeared. We looked at the inquiry screen for the other bogus AR HATB

transaction, and we discovered that the apply-to inquiry screen was out of balance. We looked through the transactions nearby for that vendor, and there was a credit memo for the exact outof-balance amount, and we discovered that this transaction was missing the historical apply-to record. So we added the record using SQL, using a neighboring apply-to record to figure out what to enter in each of the fields. Once we inserted the missing applyto record, that bogus AR transaction dropped off the AR HATB report. A consultant friend of mine had a difference in his client’s AR HATB file a few periods back that was also equivalent to a credit amount, so he simply tinkered with the apply-to date in the apply-to file, and that fixed that HATB report. If tinkering with the files with SQL queries is not a realistic option for you, you can fix most HATB errors simply by voiding the problem payment/receipt and re-entering it as a manual payment/receipt and posting it again. Ship To Address Name Changes by Al Schuette, Avastone Technologies LLC, GPUG® Partner Member hile each new release of Microsoft Dynamics GP features enhancements and additions, there are a good number of minor improvements that may go unnoticed. Or the change may be in an area of the package that you aren’t really utilizing at the time, and when you decide to use it in the future, you aren’t aware of the specific effect of past updates. Normally this doesn’t cause any trouble, but in the case of the “Ship to Address Name”, such a situation was the root cause of some confusion. The “Ship to Address Name” was added as part of Microsoft Dynamics GP 2013. The “out-of-the-box” standard PO blank form and template were adjusted to use this new field as the first line of the PO ship to address for drop shipments. (The process to do this is a bit opaque in that the field is called “Company Name”. It comes from the Print Documents List table, which is a temporary table, so you can’t easily look to see what data is put into this field. One might think it is populated with the company name, but in the case of a dropship, it is actually populated with the “Ship to Address Name”.) All works fine because as you add new Customers and addresses, the Customer name defaults into this “Ship to Address Name”. If

you never noticed this new field, it fills in and prints on the dropship address just like the Customer master Customer name printed before. BUT if you had Customer address records from before Microsoft Dynamics GP 2013, the field is BLANK. If you are now new to using drop-shipments or the purchase order module overall, when you look at your first dropship PO, you will likely find it odd (or annoying) that no company name is printing for the ship to address. After logging into gpug.com, you’ll notice a new widget under your picture containing your primary or default chapter location. Note: This widget will display to GPUG User participants only (Members and subscribers). Many of you have already selected a chapter location, and if not, we’ve attempted to designate one for you based on your address information. If nothing has yet been selected for you, you will see a Not Selected value in this field.

The next time you login to the GPUG website, you’ll see your chapter location reﬂected in the My Chapter ﬁeld.

When you select your chapter, you will automatically be added to the virtual chapter community within 24 hours. You’ll then be able to access this community quickly by clicking on My Chapter Community from the Chapters section of the left navigation.

To change or select your chapter location, click on the Update Location link.

While you can continue to participate in as many chapters as you’d like (and therefore may see multiple chapter communities in your My Chapter Community section), designating a primary chapter ensures you receive relevant communications based on the location you’re engaged in.

Changing Your Default Chapter When you change your default chapter from one location to another, you are not removed from the virtual chapter community. If you no longer want to be a member of a Chapter community, you can leave the community by clicking on the Settings button and clicking on the Leave Community option.

...with GPUG® Members We reached out to several GPUG Members to ﬁnd out what they think the greatest opportunity or challenge will be in 2017 as it relates to Microsoft Dynamics GP. Here’s what they had to say.

Blair Christensen Database Administrator Oppenheimer Companies, Inc.

For my company, our biggest challenge is trying to upgrade and stay within a couple of versions of the current release. I was very pleased that Microsoft backed oﬀ its (quite frankly, insane) update schedule and is now going with one update per year. Our system includes 11 companies with widely varying business processes, and we use integrations and third-party products extensively, so the testing, preparation, and coordination that go into an upgrade are anything but trivial. We’ve been using Microsoft Dynamics GP since before Microsoft acquired Great Plains Software, so legacy does not even begin to 40 | GPUG Magazine

describe our environment: Every upgrade exposes something new we have to handle. Even a once-a-year upgrade is really tough with all the other projects I have going on; the twice-a-year releases just made me throw up my hands in frustration. When one considers that aside from Microsoft Dynamics GP itself are the Microsoft Dynamics necessary SQL Server upgrades, I could very easily spend more than half my entire working year planning for and performing upgrades. What I’d really like to see is an announcement by Microsoft that they are working on a replacement engine for Microsoft Dynamics GP to replace Dexterity for release in, say 2022, with a production development release in 2020 so that the third-party community could get their hands on it and re-write their own products to work on it prior to the 2022 launch. That would also give Microsoft time to rewrite Report Writer and Integration Manager to support the new engine.

Our biggest challenge for 2017 is also probably upgrading. We have more than 800 Users on 52 different companies. There is definitely no opportunity to just simply hit the upgrade button. Luckily we have our licenses split across three servers, so we can upgrade each server on its own, but for 2017, we need to look at our biggest server. Another big challenge for us is keeping up with the rate of change and need for new functionality from the business. They will always feel that they are being ignored if we do not respond to the requirement in days, maybe weeks. I would like to say that we would take our first steps into Dynamics 365, but the pricing difference to our Microsoft Dynamics GP costs is just too big to do without a whole lot of corporate governance, including the full evaluation of the competing offerings. Our opportunities, though, are to grow our hybrid cloud presence and improve the use of cloud functionality. An example of this is using the Microsoft PowerApps capability for asset verification and for supplementary information that we can use in our BI processes. Larger levels of process automation are a big drive to allow our people to spend more time improving our business and taking opportunities rather than being held captive to data capture. I could probably go on for hours, but let’s leave it at that.

Our biggest challenge is the next upgrade itself, to Microsoft Dynamics GP 2016 R2. With 36 companies and all of the third-party products, it is always a high bar to upgrade. Not in the training, which really needs our focus, but in the upgrade itself. Process improvements? I have seen folks wish for a replacement to the Dexterity engine, and I have often wished for a complete repeal and replace of Report Writer. We need a better report engine! But maybe a more attainable enhancement might be to improve some of the Microsoft Dynamics GP to SQL internals. With SQL 2016, we have some real power available. How about really tuning some of the worst-performing Microsoft Dynamics GP processes to take advantage of the power of SQL 2016? Everyone has their “favorite” worst-performing process, right?

While you are at it, can we cut down the upgrade times themselves? Do you really need to go table by table, database by database, taking 15 minutes to two hours per company to do an upgrade? I know all of the tricks and piecemeal upgrade options, but surely there is a better, more eﬃcient way after all these years? Anyone with large companies, or double-digit (and in some cases, triple-digit) company counts, knows what I mean.

Our greatest challenge in 2017 is needing to upgrade Microsoft Dynamics GP from our current 2013 R2 version, so that we stay within Microsoft’s maintenance service window. Unfortunately, upgrading to the newest version will also require an upgrade to our SQL Server in order to be compatible. Our main ERP system is an internally developed SQL software, so upgrading SQL versions means additional testing to ensure that our main ERP system will work properly. And of course, we’ll also need to upgrade our Microsoft Oﬃce suite on the Microsoft Dynamics GP workstations as well. The logistics and cost involved seem to be a bit overwhelming at this point. I’m looking forward to Microsoft’s plan to slow down the new releases to annually!

I will echo the response regarding performance. While we do not have as many companies (five) as other organizations, we push through millions of transactions a year just within the PM, RM, and GL modules. Performance across the board is becoming a very noticeable issue, whether it is with payables check batch building, receivables lockbox processing, or general inquiries in all of the modules. Our biggest concern over the next one to three years is whether or not Microsoft Dynamics GP can continue to handle our growth. We also have significant integrations from other applications and third-party applications. While Dynamics 365 may someday become a viable alternative application for us, it certainly does not appear to meet our needs within the next five years. Therefore, having more solid API connectors for integrations and better use of the Dexterity code versus SQL capabilities to provide exceptional processing speed is high on our list. In addition, better stability of the application is also necessary. Having to run check links every time we experience an interruption is not an option. We are fairly close to a 24/7 operation and cannot afford the amount of time it takes to run check links due to the volume of data. GPUG Q1 2017 | 41

A Few Takeaways There were a few areas where we heard confusion amongst Users, so the due diligence for us was to go back to our teams and ďŹ gure out how we can simplify the message. Âť Web client Many Users thought they had to fully go to the cloud to use the web client.Â Thatâ&#x20AC;&#x2122;s not the case as it can be deployed on-premises or in a cloud deployment.Â Âť Integrating cloud apps into Microsoft Dynamics GP Users thought that integrating cloud apps and adding an Outlook add-in were future direction demos.Â Theyâ&#x20AC;&#x2122;re not! Theyâ&#x20AC;&#x2122;re available and can be utilized now. Âť PowerApps PowerApps like Microsoft Flow were confusing as well.Â We showed it in the keynote, but didnâ&#x20AC;&#x2122;t drill into it.Â Microsoft Flow is pretty cool and we will spend more time on it in the future. Âť Power BI Power BI has so much depth, and most Users didnâ&#x20AC;&#x2122;t understand the opportunity this amazing tool has.Â I think the word has spread since Summit, and itâ&#x20AC;&#x2122;s now the hot topic.

OneNote

A Collaborative Tool to Share Your Ideas/Notes

neNote is a great tool for information gathering and multi-User collaboration. It allows Users to share notes with other Users over the internet or network. It’s available as part of Microsoft Office and can be purchased separately, if needed. In OneNote, Users can enter text, create tables, and insert pictures or even insert video recordings. It’s very easy to draw in OneNote or highlight your work. Unlike a Word processor, Users do not need to explicitly save their work (remember all that lost work that you had to retype?). OneNote saves data automatically as the User works, so there’s no lost work – ever. Users can also add a design to OneNote pages. Just choose the page template and get going. Additionally, you can have multiple “Pages” in one notebook, all with different template styles. Yes, it’s like a notebook where you can have multiple bookmarks for different notes or have different sections/ pages to identify your notes. These pages can be large or small depending upon how many notes you take on that topic. Adding pictures always enhances your work, and you can certainly do that without losing the quality of the picture.

A OneNote Notebook is stored as a folder of “section” ﬁles that have the .one extension. OneNote also has good searching capability and enables you to search the text on any page of the current notebook without clicking on each page. You can also link a note to another note in a diﬀerent notebook for reference purposes. Users can password protect their OneNote book or share it with other team members to merge their notes.

Export Capabilities Users can export their OneNote page, section, or the whole notebook to a Word document or PDF or to another OneNote notebook. This makes it easy to collaborate with their colleagues on a project or just to share notes among teams. OneNote also has the capability to email notes to your OneNote book. It enables Users to send emails to the Addressme@onenote.com from a pre-speciﬁed email ID to have the contents of the email saved to OneNote. OneNote is also available for mobile phones. I haven’t used OneNote on my mobile device yet so can’t speak much to the capabilities there. To start working in OneNote: 1. Start the OneNote application on your laptop. 2. Press Ctrl+N to start a new page. 3. Start typing anywhere on the page, and voila, you are using OneNote. Add pictures, insert tables, insert charts, or just take notes. Most important tip: Do not search for the “save” button. There is no saving in OneNote; it autosaves your page. Trust me, we have all done that.

Overview This Tech Tip will review how to create a new Security Task in Microsoft Dynamics GP. A Security Task contains the windows, reports, and other resources that Users need to access in order to complete tasks in Microsoft Dynamics GP. All security tasks must be assigned to a Security Role. A Security Role can have many Security Tasks, and a User can be assigned multiple Security Roles.

Instructions 1. To begin, open the Security Task Setup Window by selecting Microsoft Dynamics GP > Tools > Setup > System > Security Tasks.

2. At this point, you will be prompted to enter your system password, then select “ok”.

3. In the Security Task Setup window, enter a Task ID. NOTE: As a best practice, do not include spaces in your ID. To separate words/abbreviations, use symbols such as the underscore key.

7. In the Type drop-down, select the item you want to give the task access to. A type can be a window, report, Series Posting, Document Access, etc. The Type drop-down will change based on the product you have selected in step 6.

4. Enter a Task name and Description. The Description should provide a background on what the task will include.

5. Using the drop-down menu, select a category related to the task. For this example, I have selected the Inventory Category.

8. Once you have entered the Type drop-down, the Series Dropdown will populate. In this list, select the series you want to set access to. For this example, we will select the Window Series to grant access to all Inventory Inquiry windows. If you wanted to grant access to Inventory Reports, you would select the Report Series.

6. In the Product drop-down, select the product you are creating the task within. It will default to Microsoft Dynamics GP, however; third-party products such as SmartList can also be selected.

9. After you have selected a Series, the Access List will populate. Mark all checkboxes for items you would like to grant access to. For this example, you will be looking for all window names.

The Display Selected Items checkbox can be marked to view only items in the Access List that are selected.

10. Repeat steps 6-9 to add access from diďŹ&#x20AC;erent products, types, or series. 11. Once these steps are completed, select the Save button.

NOTE: Use the Mark All or Unmark All tool to select or unselect all items in the Access List.

Copy an Existing Security Task If you are creating a new security task that will be similar to an existing one, you can use the copy feature to save time. 1. In the Security Task Setup window, select the copy button after you have entered a Task ID.

2. Using the magnifying glass in the Copy Security Task window, select the Task ID you would like to copy from, then hit select.

GPUG®: How long has Data Resolution been in the Microsoft Dynamics business? Graham Leitch (GL): We started out 16 years ago, primarily offering hosting for Microsoft Dynamics GP. We were one of three other pioneers that offered this service back then. Today, we’re a full-service managed host with expertise across the massive-scale public clouds (Amazon Web Services [AWS], Microsoft Azure, etc.), and of course, a Microsoft application host across our highly available private clouds. The landscape has obviously changed! GPUG: You can say that again! Tell us more about your hosting model and how Dynamics 365 plays into that. GL: One of our core business offerings is Microsoft Dynamics ERP and CRM hosting, including Microsoft Dynamics GP, AX, NAV, SL, and CRM. Today, most of our Customers are on our cloud infrastructure, but we also offer hosting options (with managed services offerings) on Azure and AWS. We are fully on board with the evolution of Dynamics 365 and have Customers who are waiting for that functionality. Some Customers are ready to migrate from legacy systems, but many of them will carry on their traditional infrastructure. GPUG: What kind of questions and/or concerns are Partners and Customers asking you in terms of Dynamics 365? GL: They are mainly asking if it is ready. Should they move now or wait for 2.0? Customers rarely seem to be comfortable with a 1.0 version from Microsoft. Microsoft Dynamics AX 7, for example, is their first cloud-based version, and we have many Customers staying on Microsoft Dynamics AX 2012, not ready to make that leap.

GPUG: What answers are you giving your Customers in terms of making that leap to Dynamics 365? GL: It really depends on the business situation. If a company has a complex environment with multiple ISVs, they would not be a good candidate to move right now. It’s cost-prohibitive, and Dynamics 365 isn’t ready for that. It’s great for basic financials and sales and marketing. It’s not the right solution for them now, but it is the future. We are finding that for most of our current Customers, it’s better to wait until the functionality is built out a bit more. With that said, a lot of companies and organizations (including some of our new Customers and prospects) don’t really need a lot of rich or complicated functionality. They are looking for good core financials with sales and marketing integrated with that, and Dynamics 365 is a great fit for them. GPUG: As a hosting Partner, do you work directly with Users or through the Partner channel? GL: We are heavily channel-based and predominantly work through the very best Partners in the business that specialize in various industries. We either white label our services and resources for our Partners to sell, and we operate as their backbone, or we go to market with our Partners and sell the all-up solution together. With certain services, like FlexIT, we sell directly to Customers. GPUG: Tell us more about FlexIT. GL: FlexIT for managed network and IT support is for companies who host with us and do not have the bandwidth or resources to manage any of their own IT needs. They outsource that to us, and

through remote monitoring and management, we keep them up and running. We are responsible for their entire IT environment. The service was born after we received so many requests from our Partners’ customers. We were doing great hosted work around managing their financials, email, and collaboration platforms, and so they also requested we handle their on-premises infrastructure. Based on our resources and capabilities, we created a nice streamlined package for our Customers and Partners in the form of FlexIT. GPUG: What will you focus on with your Microsoft Dynamics GP Partners and Customers in 2017? GL: We’ll be evaluating current deployments and migrations to Dynamics 365, helping our Partners figure out with their Customers whether it’s a good fit. Another key data point is that today, we receive many requests for fully web-capable solutions. In this BYOD (bring your own device), on-the-go world, businesses want a solution that’s rich but thin, where they can use it anywhere and at any time. So, we are always looking for ways to deploy Microsoft Dynamics GP web client more efficiently.

GPUG: What business intelligence (BI) functionality do you offer? GL: We have longtime relationships with the leaders of the BI world in Microsoft Dynamics: Jet Reports, Atlas, and BI360. There is some new interest in the native tools that Microsoft Dynamics GP has come along with, but most demand is with our ISV partnerships to improve BI and reporting. We also work with clients to build out demo environments so they can test and see real data in their systems. GPUG: What do you like most about Microsoft Dynamics GP and the community? GL: It’s a very loyal community. The longevity and growth of the product and community are also so fun to see. Not only are new developers coming on board, but Microsoft Dynamics GP is also the product people look at first in terms of compliance. The community is the largest and oldest and is the bread and butter of our Partners. Sixty percent of Partners that do business with us have Microsoft Dynamics GP as a part of their offering. Microsoft Dynamics GP is where we started. We’re familiar with it, and the community shows the most commitment to Microsoft and their long-term vision. GPUG

You can select to embed documents, attach documents, or both. If you select to send documents as attachments, you can specify which type of ďŹ le formats you want to attach the documents as. The options you select in this window are available for Customer and vendor records. If you selected to use an option, such as the DOCX ďŹ le format, and then decide not to use the option, you must update the Customer and vendor records that were set up to use the DOCX ďŹ le format.

To set up email document options for a company Âť Open the Company Email Setup window. (Administration >> Setup >> Company >> Email Settings) Âť Mark whether to embed documents into the body of email messages. Âť Mark whether to send documents as attachments in email messages. Setting up email options for multiple Customers Use the Mass Customer Email Settings window to assign email settings to multiple Customers. You can select which documents you want to send to the Customers. You also can specify message IDs and the document format to use for the vendor. A message ID is a predeﬁned message that you can assign to a document that you want to send in email. For example, you can send a promotional message to your Customers when sending sales quotes in email. If you want to set up an individual Customer, you can use the Customer Email Options window. Pivot Tables Pivot tables are a way to simplify multiple data points into one area, allowing you to see only the data you wish and manipulate it in ways you wouldnâ&#x20AC;&#x2122;t otherwise be able to. A helpful visual aid, you can get averages, totals, minimums, counts, and more. Navigate to the Insert menu and then select pivot table to start. In your Excel spreadsheet, select the data you want to include in your table and choose where you want your Pivot Table to be placed. Note that your data must have titles/names in the ďŹ rst line to identify the data later on. After selecting your source data, choose the data you wish to see in the Pivot Table wizard by selecting the checkbox next to it. Excel will guess as to where you want to place your pivot table, but you may move it around by dragging and dropping from the different fields, such as Report Filter, Column Labels, Row Labels, and Values. Column Labels and Row Labels will likely be how you want to group your data. Values will be the totals you want to see after your data is grouped. Report Filters and Slicers can then be applied if you want to add a ďŹ lter to your data, but they do not have to be used. When working with your data, you may ďŹ nd that you need to change the values of your data to a better format in order to make a cleaner table. Change the values by clicking on the yellow bar within the ďŹ eld to see a list of options. Choose Value Field Settings to change from Sum to Average or any other calculation. You can also use the Pivot Table menu bar that auto appears when you are working in a pivot table and click â&#x20AC;&#x153;Summarize Values byâ&#x20AC;? option. GPUG®: How long has Binary Stream been in business? Lak Chahal (LC): I started Binary Stream 17 years ago from my home. I saw an opportunity in the Microsoft Dynamics GP space (then Great Plains); the solution inspired and excited me. With my experience of working in distribution and the supply chain, I started developing solutions for that space. Initially we started with customizing Great Plains, and very quickly we came up with our Manager Series products, which are add-ons to Microsoft Dynamics GP. They were sort of like foot-in-the-door products. From there, we started getting into more complex areas. We created enterprise-level products, such as our ﬂagship solution, Multi-Entity Management. We’ve really taken oﬀ from there, launching products to manage billing, deferrals, property leases, consumptionbased inventory, and more. Around 2007, we were selected by Microsoft as the preferred ISV for supply chain for hospitals. This was a major boost for our reputation with major VARs in the Microsoft Dynamics GP space. GPUG: I’d say! You’ve been named one of the fastest-growing companies in Canada and have been named to Microsoft President’s Club for seven years. What drives these accomplishments? LC: We’ve had an industry niche since day one, and whatever we take on, we simply make sure to do a good job! Our Partner relationships also have set us up for success. By working with more than 90 percent of all Microsoft Dynamics GP Partners, our reputation is strong, and I’m very proud of the team we have built at Binary Stream. We are an agile and lean company, and we live our values.

Our industry experts build the right products that enable our Partners. GPUG: Tell us more about your niche focus. What areas do your solutions work best in? LC: We focus on healthcare, subscription billing solutions, real estate property management, and financial services such as investment and loans management. We are also making sure that we support multiple ERP platforms within Microsoft Dynamics ERP. Our solutions will be available for Dynamics 365, Microsoft Dynamics AX, and Microsoft Dynamics NAV. GPUG: What do Customers like most about Binary Stream and your products? LC: Whenever there are challenges, we are there to help. We don’t let Customers or Partners down. We deliver. From a product standpoint, our multi-entity solution brings unique value to Microsoft Dynamics GP Users. It’s a game changer that helps Users expand to more locations while streamlining and centralizing their business processes. All of our products are built in a way to simplify financial transactions. Complexity is a huge pain point for the industries we work with. We simplify accounting processes and analyses so finance and accounting departments can easily meet compliance requirements while helping grow their businesses. GPUG: What do you have coming up for Microsoft Dynamics GP Users in 2017? LC: We have a team of 40 to 50 people working in development, and those people are working hard in extending our solutions as well as looking at Dynamics 365 and how that changes things for our Customers. We’re always adding new functionality, but this year, with our growing development team,

we are elevating our investments into improved User experiences, creating more self-service educational resources and advancing the underlying technology behind all our functional improvements (for example, utilizing service-based architecture). Some specific new items will be new process wizards, companion apps, and portal solutions that allow vendor and Customer portals for our products as well. We have a comprehensive list of items going forward, and it will be an exciting year. A big change for us is getting into the Microsoft Dynamics AX, Microsoft Dynamics NAV, and Dynamics 365 space more and more moving forward, but we are still primarily focused on our Microsoft Dynamics GP Customers and connections. GPUG: What do your solutions offer Microsoft Dynamics GP Users in terms of more BI/reporting functionality? LC: There are three ways we enhance our Microsoft Dynamics GP Users’ BI and reporting capabilities. First, our industry specific solutions offer many targeted reports such as monthly recurring revenue forecasts in our subscription billing product or rent roll, vacancy, or delinquency in our Property Management product.

Second, our most popular product, Multi-Entity Management, saves time and costs associated with report creation and maintenance by enabling all entities to exist in a single database versus separate databases for each company (or entity) in core Microsoft Dynamics GP. This also adds flexibility by allowing for reports by entity, groups of entities, or consolidated reports across an enterprise – with no more effort or complexity than running a single entity report in Microsoft Dynamics GP. Third, our products result in an expanded Microsoft Dynamics GP data model, from which we are able to offer rich data cubes and consultative support to enable powerful data analytics using tools such as Power BI, Solver, and other reporting tools. How did you learn about GPUG Academy?

Our company became a GPUG Member shortly before going live with Microsoft Dynamics GP, and we learned about Academy courses from the weekly GPUG emails that listed learning opportunities.

I became aware of the GPUG Academy courses through our GPUG membership.

I became aware of the GPUG Academy courses after visiting www.gpug.com daily. I then noticed the link to GPUG Academy and the listed courses.

Why did you register for an Academy course?

Knowledge. Today software systems have such vast information that can be retrieved to aid companies in their processes. A person like me needs to be knowledgeable in not only the different ways that something can be done, but also in what the system offers that one’s company has not tapped into yet. The courses have provided me with knowledge to apply inside our company, which allows us to perform and provide better service to our customers.

I wanted to take the courses because I was basically self-taught on how to use the Accounts Payable and Receivable Modules. Taking the certiﬁcation courses would be very helpful to expand on procedures and gain useful tips as well.

I took the classes to gain more knowledge about Microsoft Dynamics GP. Segregation of duties permissions do not allow me to have access to several areas within Microsoft Dynamics GP; however, I needed to become familiar with those areas and learn what efﬁciencies could be gained in order to provide better management and coordination of responsibilities.

How has attending Academy courses helped you in your job?

As Microsoft Dynamics administrator, I am responsible for the overall function of Microsoft Dynamics GP and for teaching others how to best use our Microsoft Dynamics family of software. Taking these courses has provided me with the knowledge needed to solve issues and push for more effective use.

The courses taught me different options and quicker methods that I would not have known on my own.

Effective with my increased knowledge and awareness of system options, I know what capabilities are possible and can also direct personnel to better use the system.

What advice would you give to a fellow User who hasn’t taken an Academy course?

If you are thinking about it, then it is time to act. Choose the courses that pique your interests and that you believe will help you. Remember knowledge is great, but if you do not use it, you will lose it.

My ﬁrst suggestion is to give reassurance that the courses are easily completed at your convenience. If you have a delay between the ﬁrst course and the next, you will not lose your previous credit.

The courses and certiﬁcation are well worth the investment of time and money as they provide exposure to options within the system that you may not otherwise know are there.
