Say Goodbye to 2015 and Year-End Woes

t’s hard to believe that it’s that time of year when we are jumping into year-end. Yikes! My husband and I owned a retail business for 10 years, and I did the books. Scary, I know! Admittedly, I did not think year-end was fun, but I knew it was necessary. Toward the end of October, my hands would start to sweat. Will I have the information necessary for my accountant so we can close the books and make tax time less painful? Did I record my information correctly so he knows what I was doing back in March? Did I take advantage of every dollar I could? Perhaps you’re experiencing the same feelings. GPUG® has dedicated this issue to year-end improvements. This includes improving processes done annually as well as introducing new topics to consider, such as the Affordable Care Act. We are strengthening the year-end education we provide by offering a OneSource Series called, appropriately, Year-End Series. We are hosting 13 webinars with valuable topics and products that can improve your year-end process. The tips and tricks will have you gliding through this year-end season! GPUG® announced this year’s All Stars at GPUG Summit 2015. We reached out to them to share a bit about what it means to them to be an All Star as well as their key takeaways from the event.

What does it mean to you to be named an All Star? I have been involved with the Microsoft Dynamics GP community for more than 21 years and have always enjoyed pushing myself to the limits and then sharing the knowledge that I have gained. I enjoy giving to the community, and I get a thrill knowing that I have helped people. Being named as a GPUG All Star is a recognition from the community that they appreciate my contributions. It also adds me to an elite group of wonderful people who I am proud to call friends. I feel even more driven now to continue my efforts in the community so that I can live up to what it means to be a GPUG All Star. I am humbled and honored to be given the award and really appreciate the official recognition. What was your greatest takeaway from Summit 2015? Other than the GPUG All Star award, I loved meeting everyone in person. This was my first GPUG Summit, and it gave me a chance to meet many new people who would not normally attend Partner conferences or Convergence. The greatest takeaway is how fantastic the Microsoft Dynamics GP community spirit is.

What does it mean to you to be named an All Star? It means that I now know for certain that there are many, many discerning and intelligent people with good taste in GPUG! In truth, I’ve been involved with quite a few online groups that couldn’t quite get it together enough to gather Members to meet face-to-face and gain that extra personal dimension and depth that is quite diﬃcult to do online. The people behind GPUG know how valuable that is and have done outstanding work to get us together to educate, share ideas, and form professional and personal bonds across the world. And now I’ve been given terriﬁc acknowledgment for something I simply love to do: Help people solve problems. It isn’t possible to thank everyone enough for this gift. I am honored. What was your greatest takeaway from Summit 2015? That there’s nothing like having every Microsoft Dynamics GP expert you could ever want gathered in one place to have fun and to help solve your problems. Concentrated, intense, exhilarating, and very, very satisfying. And since I used my voice recorder to capture audio, I can replay those information-packed sessions – and actually count the number of times that John Lowther said the word, “Test”!

What does it mean to you to be named an All Star? I feel incredibly honored. Knowing that this comes from fellow Members gives it so much meaning. I enjoy people and learning from them. This award tells me that the contact that I have had with Users has been a beneﬁcial two-way street. It is extremely gratifying to know that. What was your greatest takeaway from Summit 2015? I have been a Summit attendee for a few years now. While I learn from the various sessions during the week, I also learn from the Users that I meet. I enjoy asking them how they deal with various situations and getting ideas to take back to the oﬃce. And, I have to say, receiving the GPUG All Star award was a takeaway that may be hard to beat!

The chapter is taking this “Up-and-Coming” status literally as they head north to Fargo, North Dakota, for a collaborative chapter meeting. “The Minnesota, North Dakota, and surrounding chapters will have a two-day regional meeting in Fargo where the Microsoft Dynamics GP staﬀ and GPUG® User and Partner Members will present a variety of topics,” says Brian. “We will also host three additional quarterly Minnesota chapter meetings at the Microsoft oﬃces in Edina, Minnesota. Jessi Gorski has a tough act to follow: Herself. This fall Jessi planned a birthday-themed chapter meeting, complete with balloon artist-created hats for each attendee. “Each Member was able to pick his or her favorite color, and then I used the colors to separate people into groups for our discussion topics,” says Jessi. “I also gave away a few birthday presents, which was fun to do. It was really enjoyable and will be hard to top!”

We’re sure that Jessi will ﬁnd a way, especially with an active group of chapter Members and a true appreciation of knowledge. “Our chapter is very responsive when I ask for future meeting topics,” says Jessi. “I really enjoy the learning aspect. It’s so interesting to talk to people who are using the same program but in a diﬀerent way. If I wasn’t the chapter leader, I don’t think I would be exposed to all this information to the same extent that I am currently.” GPUG

onnexus Energy is Minnesota’s largest electric cooperative power company, providing electricity and related products and services to homes and businesses in seven counties and across 1,000 square miles. When Brian Lambertz, lead business analyst, joined Connexus a few years back, Microsoft Dynamics GP was a brand-new ERP product for him. “I was brought on board to install and configure the new solution as well as train our Users,” Brian says. “It was a great move as Microsoft Dynamics GP replaced two expensive software packages we had on Oracle, and it works really well with Cogsdale, our construction and asset management solution.” Keeping things simple was Brian’s strategy during implementation. “It’s easy to get distracted by the bells and whistles,” he shares, “but functionality is paramount. It has to do the little and necessary tasks first.” In addition to managing the necessary financial requirements, their Microsoft Dynamics GP solution helps Connexus plan for all their inventory needs during the busy season. “We heavily implemented the inventory module so we have enough equipment on hand when storms strike and take down our poles, power lines, and plant equipment,” Brian explains. Not only does their solution forecast the needed

demand, but it also automatically calculates for a storm and safety stock beyond the estimated construction work. Connexus does a lot within project accounting with the help of Cogsdale to manage and track everything for their construction projects, such as budget for labor, inventory, miscellaneous logs and expenses, performance metrics, assignments, and more. “Having this granular reporting on cost for any given construction project keeps us on par to stay cost-effective and productive,” Brian adds.

Ahead of the Curve Connexus took their time during the implementation phase, and it paid oﬀ immensely. “We started working with Microsoft Dynamics GP four years ago and have been live for two years now,” Brian says. “If you can build more time into your plan for testing and documentation, do it! It saves countless hours down the road.” Brian was able to make a huge enhancement for his team during their phased implementation approach. With his web-design background, he designed an interface for their construction module in Microsoft Dynamics GP using Microsoft Visual Studio .NET. With the web interface, engineers and customer service representatives can update and view projects at any time and from anywhere.

They leverage Microsoft SharePoint for document management, saving lots of hassle, especially at the start of construction. Engineering drawings, cost sheets, city permits, and more all need to be scanned in and signed off on, which then kicks off a workflow in Microsoft Dynamics GP. SSRS reporting has also been a major area of customization for Connexus. Brian has designed several reports that Users can access through their web application.

Community Leader Brian has a longtime appreciation for the chapter meetings in Minnesota. â&#x20AC;&#x153;When I ďŹ rst started attending, I learned so much from other Users who accomplished such amazing best practices. It really builds a sense of community around the software,â&#x20AC;? he concludes, â&#x20AC;&#x153;and it felt like I was part of the group from the beginning.â&#x20AC;? ow is a good time to start doing some preparation to help make the end of January easier. As part of the Trade Preferences Extension Act of 2015, penalties for incorrect 1099 returns have increased substantially, and taking some time to look at your data to ensure your returns are filed correctly and on time can prevent costly penalties. Âť Check to ensure that vendors that are subject to 1099 reporting are marked properly in Microsoft Dynamics GP as 1099 vendors. Vendors that were marked mid-year as a 1099 vendor may have 1099 totals that are incomplete and require editing for proper reporting. Âť It is critical that the name that prints on line 1 of the Recipient Name ďŹ eld of the 1099 is the legal business name. Microsoft Dynamic GP defaults the name on the 1099 name to the Vendor Check Name. For vendors that have been paid under a d/b/a or individual name, the Vendor Check Name will populate an incorrect name onto the 1099 and likely cause a notice from the IRS indicating a no-match between the Tax ID and vendor name that was reported. Âť Missing or incorrect TINs can generate substantial penalties with the IRS. This is a good time of year to double-check that all 2015 vendors have completed a W-9. Vendors that have not provided a valid TIN are subject to back-up withholding of 28 percent of payments. Âť Regardless of the amount of payments that are made to a vendor, if there has been any back-up withholding, the vendor must receive a 1099, and the information needs to be reported to the IRS. This is a common error for vendors that had back-up withholding but were paid less than $600 in nonemployee compensation. Âť For payments that are subject to the Foreign Account Tax Compliance Act, there is now an indicator on the 1099 that needs to be completed. The indicator has been added to the â&#x20AC;&#x153;Account Numberâ&#x20AC;? ďŹ led on the return, and although this is only used by certain foreign ďŹ nancial institutions, it has shortened the ďŹ eld for the account number. Microsoft Dynamics GP Users that use the Account Number ďŹ led on the 1099 will want to check to ensure that their account numbers do not run over into the new indicator. Âť Companies with 250 or more returns will need to electronically ďŹ le. Microsoft Dynamics GP does not include the ability to create the electronic ďŹ le for 1099 returns. Âť Companies that will ďŹ le directly with the IRS need to ensure that they are registered for a Transmitter Control Code by ďŹ ling form 4419 â&#x20AC;&#x153;Application for Filing Information Returns Electronically (FIRE)â&#x20AC;?. Adding a Recording to Favorites The GPUG® Recording Library has hundreds of recordings, yet who has time to watch them all right now? A great site feature is the ability to “favorite” recordings for quick access at a later time. To add, access, and remove a recording from your favorites:

» Navigate to the Recording Library by clicking on Access Webinars on Demand under the Learn & Engage tab. Recorded content is a beneﬁt to GPUG Members. » Click on a folder to see recordings saved within the folder. When you ﬁnd a recording you want to save, double-click on it. » Click on the blue Action button, and select Add to Favorite. You can do this for as many recordings as you want.

» Navigate to your Proﬁle by clicking the drop-down next to your name in the upper-right section and then clicking on Proﬁle.

» Click on the My Settings tab and select Library Favorites. » You’ll see a list of all recordings you have marked as a favorite. You can keep recordings in the library for as long as you want.

Removing Recordings from Library Favorites

» From the Library Favorites, click on the title of the recording you want to remove.

» Click on the blue Action button. Select the Remove Favorite option.

Pam Peterson (PP): There really is no common question as no two people are using the software the same way. That being said, we do get a lot of questions on year-end, such as running W-2s, ďŹ xing numbers, and closing the year. Also, any time we release new features, we get a lot of questions on the functionality of those features, especially because people are trying to use those features diďŹ&#x20AC;erently.

We also utilize the Connect tool to track suggestions Users have for additions or changes to the functionality. We then review those suggestions with our product team to help inďŹ&#x201A;uence the direction of the product. GPUG: Like the joy of being able to select the printer? PP: Exactly. At this stage of the game with Microsoft Dynamics GP, we donâ&#x20AC;&#x2122;t hear about huge gaping holes, so itâ&#x20AC;&#x2122;s those little things that really make the diďŹ&#x20AC;erence. Thatâ&#x20AC;&#x2122;s really the direction weâ&#x20AC;&#x2122;re headed and what weâ&#x20AC;&#x2122;re trying to do as they end up being wins for both Users and Microsoft. GPUG: How do you see support evolving? PP: The faster you can get an answer to somebody, the happier they are. This ends up being more diďŹ&#x192;cult when answers to questions get really involved, but weâ&#x20AC;&#x2122;re continuing to push answers out as quickly as we can. The future is wide open in terms of what we can do, and we want to make it so that itâ&#x20AC;&#x2122;s easy for Users to ďŹ nd answers online. Itâ&#x20AC;&#x2122;s a win for us when Users

donâ&#x20AC;&#x2122;t have to reach out in the ďŹ rst place, and weâ&#x20AC;&#x2122;re focused on getting out content that will help people. GPUG: Can you share more about that content? PP: Weâ&#x20AC;&#x2122;ve published a year-end blog series for a few years now and have started to post on-demand webinars on YouTube (see below for a link to UIF WJEFPT ÍłF PO EFNBOE XFCJOBST BSF UP 40-minute trainings. Our goal is to publish one video each month. We ask for comments online in terms of what Users want to see in a video, and we will continue to be open to that feedback as weâ&#x20AC;&#x2122;re not sure of everything our end Users want to see. Terry Heley, an escalation engineer on our team, has been really focused about trying to get all of our documentation into one place, which weâ&#x20AC;&#x2122;ve dubbed the Microsoft Dynamics GP Directory (see link below). Itâ&#x20AC;&#x2122;s a one-stop shop for answers: Have a payables issue, go to that folder and ďŹ nd the available resources. Weâ&#x20AC;&#x2122;ve had lots of hits on the YouTube and blog sites, so people are deďŹ nitely using them, which is exciting for us. “I

s my company compliant with the Affordable Care Act? One of our company’s payroll is processed in Microsoft Dynamics GP, and the other is processed by a third-party provider, so I must be covered, right?” These are questions all business owners should be asking themselves right now, and it’s something that cannot be addressed lightly. The Affordable Care Act (ACA) mandate is one of the largest legislation changes businesses have been burdened with in 100 years, and yet the requirements are not listed out in any one simple-to-follow guide. With data flooding in from countless sources across the country, let’s start with some basics.

I’m an applicable large employer; now what? The law requires ALEs to file information returns in 2016 with the IRS and provide statements to their full-time employees about the health insurance coverage the employer offered. To prepare for the reporting requirements in 2016, applicable large employers should be tracking information each month of 2015, including: » Whether you offered full-time employees and their dependents minimum essential coverage that meets the minimum value requirements and is affordable. » Whether your employees enrolled in the self-insured minimum essential coverage you offered.

What information return do I file? IRS Section 6056 states that all ALE members must file Form 1095-C, Employer-Provided Health Insurance Offer and Coverage, and Form 1094-C, Transmittal of Employer-Provided Health Insurance Offer and Coverage Information Returns, with the IRS annually, no later than February 28 (March 31 if filed electronically) of the year immediately following the calendar year to which the return relates. ALE members are also required to provide a statement to each full-time employee that includes the same information provided to the IRS via 1095-C, by January 31 of the calendar year following the calendar year for which the information relates. 24 | GPUG Magazine

What does ACA mean to my business? Not only do ACA requirements vary based on a number of business factors, but how these requirements impact your actual business vary as well. The ﬁrst question you need to ask yourself is, “Am I an applicable large employer”? Applicable large employer (ALE) is an employer who has employed during the previous calendar year at least 50 full-time employees or a combination of full-time and part-time employees (FTEs) that equals at least 50. For example, an employer that employs 40 full-time employees (that is, employees employed 30 or more hours per week on average) and 20 employees employed 15 hours per week on average has the equivalent of 50 fulltime employees and would be an applicable large employer. It’s vital to understand the FTE calculation so that you can understand your ALE status. Any business with 50 FTEs or more is considered an ALE and must follow ACA guidelines in full. So keep in mind, just because you may not have more than 50

full-time employees does not mean you are not an ALE.

Who receives an information form rm from an AL ALE?

Any employee who is full-time for at least one month nth of the year, or is covered under self-insured self-insu employer coverage, must receive a form 1095-C in January. ary. You might think, “So, one report per year? That doesn’t n’t sound too bad.” Well, unfortunately, it’s not that t straightforward. There are multiple factors that make this his reporting requirement challenging. » Is self-insured coverage being offered to employees? s? This will lead to the completion of Part 3 of fo form 1095-C, and can also require a form 1095-B in certain rtain situation situations. » How many records am I filing to IRS? An ALE member filing more than 250 records to IRS m must submit Form 1094 electronically. » Am I an aggregate ALE member? Employer identification entification number no longer is the deciding fac factor when filing returns to the IRS. Any business thatt has common ownership is most likely considered an Aggregate ALE Group and must report information ation jointly to the IRS. » How do I know what coverage was offered? Form 1095-C is unique because there is a monthly breakdown of what offer of coverage was madee to an eligible employee – it is not reporting p g what the employee necessarily enrolled in. Generally most payroll systems are capturing what at an employee mployee enrolled in (to reflect a deduction in employee earnings), not necessarily what was offered (the employee may have waived coverage, for example). Because of this, it is critical that payroll, HR, and benefits work together to ensure that the proper offer of coverage is reported on form m 1095-C. » What’s reported on line 15 of form 1095-C? The IRS not only wants employers to offer coverage to employees, but it also wants employers to offer affordable coverage. Specifically, line ne 15 on the form 1095-C reports the lowest monthly premium that was offered for employee-only coverage. overage. This is not reporting the cost for employee plus dependents. This produces an additional challenge enge because most payroll systems will be storing the employee share premium for the enrolled coverage, rage, which may be a different premium than the employee-only plan. » Do I have the resources to print these additional forms in January? Many, if not allll of your employees who are receiving a W2 at year-end will now be receiving a 1095-C as well.

What is a typical action plan? » Start tracking all employee hours. It is critical that all employee hours are tracked in

order to properly document the full-time status of employees for ACA calculation. » Track and document an employee’s waive of coverage. When an employee chooses

to pass on offered coverage, be sure to have him/her sign a document showing he/she has been offered coverage but has chosen to waive. It’s best to track a “reason” for the waive of coverage as well. If using Microsoft Dynamics GP HR, use the “waived” status on the HR beneﬁt plan status assigned to the employee to allow for easy reporting. » There is never too many codes in payroll or HR. Within payroll or HR, it’s a best

practice to have a unique code for each coverage level, and each plan – one code for employee only, one code for employee plus dependents, etc. » Ensure you have proper historical data. Form 1095-C is reported by calendar year, not plan

year, so ensure that you have complete 2015 calendar year data in your reporting system. » Consider an ISV. There are many fantastic Microsoft Dynamics GP add-ons that

ACA C can assist with ACA compliance.

To Which employees should I be offering coverage? Any employee who is considered “full-time” under the ACA will need to be oﬀered coverage. Fulltime employees’ dependents must also be oﬀered coverage under ACA requirements. Under the ACA guidelines, any employee that works on average of more than 30 hours of service per week, or 130 hours of service per month, is considered full-time. Keep in mind that hours of service includes any hour the employee is entitled to, including unpaid leave such as FMLA or military leave, and many others.

What happens if I don’t participate? There are two main ways an employer can be left owing money at year-end as a result of ACA. Any eligible employee who intentionally is not provided an information return (form 1095-B or 1095-C) in January would result in a penalty of $500 per occurrence, up to $3 million. More commonly referenced, however, are the Employer Shared Responsibility Payments. These payments are calculated and required when an employer fails to meet one of the three ACA requirements: (1) minimum essential coverage, (2) minimum value, and (3) affordability. » Minimum essential coverage must be offered to at least 70 percent of full-time employees and dependents in 2015, and 95 percent of full-time employees starting in 2016. Not offering MEC to all full-time employees can lead to substantial penalties. » In addition to offering MEC to full-time employees, minimum value plan coverage must also be offered to all full-time employees. A health plan meets the minimum value requirement if it covers at least 60 percent of employees’ health care costs allowed under the plan with employees picking up the remaining 40 percent through deductibles and co-pays. Employers should ask their health insurance companies or third-party administrators to determine the minimum value of their plans. » Affordable coverage must be offered to employees in order to avoid these responsibility payments. The employee-only share premium is not to exceed 9.56 percent of the employee’s annual household income

Most businesses will choose to use one of the three available safe harbor methods for calculating aďŹ&#x20AC;ordability since an employeeâ&#x20AC;&#x2122;s household income is typically unknown by an employer. What about Form 1095-B? Form 1095-B applies primarily to insurance carriers; however, some small and self-insured employers would be responsible for issuing a form 1095-B. As with the 1095-C and 1094-C, the ďŹ ling deadline to recipients is January 31, and the IRS ďŹ ling deadline is February 28 unless ďŹ ling electronically.

So what can I do now? At least do something! It is critical that you react now and at least do something â&#x20AC;&#x201C; meaning, at least be sure you issue a form 1095-C to all eligible employees at year-end. To properly report the 1095-C you must be sure to include proper history in your payroll and HR system. If you are planning to report out of Microsoft Dynamics GP, be sure your User date is set to January 1, before setting up your ACA codes and rolling down to employees. Step One of the Year-End Process: SmartLists by Barbara Gavron, CPA, S2 Technology, GPUG® Partner Member ne of the most important issues that needs to be verified by Microsoft Dynamics GP Users during the year-end process is that they have their general ledger (GL) accounts classified correctly. Microsoft Dynamics GP relies on the classification to know how to treat the account balance during the closing process. It will bring the balance of balance sheet accounts forward to the first day of the next fiscal year, and it will close out the balance of profit and loss (P&L) accounts to the account specified on the GL setup card (see the following example). It is usually the retained earnings account, or possibly the fund balance/net assets account (if you are a non-profit).

Sometimes the User forgets to change it (Side note: I wish Microsoft would make that a blank, required field, which would force the User to think about it because it is SO CRITICAL to the year-end process). It is recommended that you use a rational schema for numbering main accounts. Assets begin with 1, liabilities with 2, equity with 3, and then 4 through 6 (or 7 or 8) for P&L. Reserve the higher series of numbers (7, 8, 9, etc.) for unit accounts and allocation accounts. Then, I build two SmartLists under the financial/accounts section for them, and I attach a reminder to them for the person whose job it is to run year-end. I call those SmartLists “Misclassified Balance Sheet Accounts” and “Misclassified Income Statement Accounts”. The criteria are Posting Type = Balance Sheet, and Main Account is greater than 3999, OR Posting Type = Profit and Loss, and Main Account is less than 4000.

If there is a discrepancy as to type, most of the time it is a P&L account that is listed as a balance sheet. This usually results from the fact that balance sheet is the default choice that is already selected when you open the GL account window. Search criteria for Misclassiﬁed Balance Sheet accounts:

When saving these SmartLists into the Favorites section, I recommend that a reminder be attached to them for the person whose job it is to ensure that the accounts are classiﬁed correctly. It would look something like this:

This will produce a reminder on that person’s home page alerting him/her as soon as a new account has been added that does not meet the proper classiﬁcation criteria based on the numbering schema.

When Users click on the reminder, it automatically brings them to the SmartList so they can review their results.

Monitoring these SmartLists throughout the year is recommended, but if Users do not, then I insist that they do it as their first step of their year-end process. That way they can fix any issues before they make the backup (my next step). This has saved many a year-end debacle! YEAR-END CLOSE PROCESS: PREPARATION IS story by Harry Lee, CPA, SBS Group, GPUG® Partner Member

h the holiday season, how we loved it – the opportunity to gather the family and celebrate or commiserate. Now let’s get back to work; it’s time to prepare for the Microsoft Dynamics GP year-end close process. First, let’s start by dispelling the belief that the Microsoft Dynamics GP year-end closing process can wait. While it is true that the general ledger (GL) year-end closing process is not time-sensitive, unless the GL is the only Microsoft Dynamics GP module you use, make no mistake, you are in a race against time. To put a fine point on it, every other module in Microsoft Dynamics GP that involves a year-end closing procedure must be closed prior to transactions being posted in the new year. Let me say it again: Every module, with the exception of GL, which has a year-end routine, must have this year-end routine performed prior to posting any transactions in the new year. For the record, in most cases, closing modules automatically updates summary and history information maintained by Microsoft Dynamics GP for Customers, vendors, items, and employees; year-to-date and last year values for sales, purchases, item usage, and year-end wage files will be inaccurate if modular year-end closing routines are skipped for payables, receivables, inventory, and payroll. Reconciliation is also a key concern. Many organizations reconcile the GL to modular sub-ledgers such as payables, receivables, inventory, and payroll every month as part of the period-end process. Failing to reconcile the GL to the various sub-ledgers at year-end is inconceivable, and yes, that word means what I think it means. It seems almost criminal to not perform the modular closing routines after putting in the effort to reconcile sub-ledgers to the GL at year-end. As with so many things, the key to the successful completion is preparation. The year-end closing process is no exception. The good news is this: It has all been done before! There are so many excellent resources to assist with the year-end close procedure; they are likely too numerous to mention. In fact, I could write a book on the year-end closing process, but I do not have to; Richard L. Whaley, rest his soul, already did. “Closing Dynamics GP” weighs in at just under 100 pages and covers, in great detail, the closing process, required steps, the order of operations, and the implications of not following said steps. This book was last updated at version

2013, so reconciliation tools and the improved year-end closing window are covered. It is a veritable steal at $49.95, and I highly recommend it. You can pick up a copy from Accolade Publications (w w w.accoladepublications .com/gpcategory1/18.html). Not to be outdone, Microsoft provides a very thorough Knowledge Base article that covers year-end closing exhaustively. KB 888003 (https://support.microsoft.com/enus/kb/888003) addresses the GL year-end closing procedure and contains links to other Knowledge Base articles for all Microsoft Dynamics GP sub-ledgers. KB 888003 is updated each year, and when used in tandem with “Closing Dynamics GP”, there are few problems with the closing process that you will not understand and anticipate. Problems, you say? What kind of problems? Quite possibly, the most common problem with the year-end closing process is misclassified expense accounts. It is common for new expense accounts to be added periodically throughout the year. One of the defaults in Microsoft Dynamics GP, when creating a new account in Accounting >> Cards >> Accounts, is Posting Type = Balance Sheet (a radio button). If an expense account is rapidly added, and Users are not careful, the expense account will be misclassified as a Balance Sheet Posting Type. The trouble with this is, the year-end closing process uses the posting type value to decide how it handles the year-end balances. As expected, Balance Sheet Posting Type account balances are brought forward to the new year, while expense accounts are cleared to Retained Earnings. Since computers do exactly what you ask them to, an incorrect setting here creates a serious problem. It is important to note that this problem can be easily prevented by creating a SmartList that displays Income Statement accounts, which are misclassified. I wrote a blog article detailing this problem some months ago: http://redbeardblogging. blogspot .com/2015/06/an-ounce-ofprevention-dynamics-gp-year.html. The underlying problems highlighted by this scenario are two-fold. The first is obvious, if you have a backup, this is not a problem. Simply restore the backup, fix the errors, and rerun the year-end close. The second problem scares me, and I don’t scare easily. Not catching this problem immediately means that there was no meaningful reconciliation after the year-end process was conducted. The importance of reconciliation cannot be understated; sub-ledgers should be

reconciled to the GL. Prior to processing the GL year-end close and the GL trial balance, year-end balances should be reconciled to beginning balances and retained earnings for the new year. Take heart, the year-end close process in Microsoft Dynamics GP is less onerous than any ERP system I have experience working in. That being said, the best way to approach the year-end process in any system is to do a test close, in a development environment, with enough time on the clock to make adjustments where problems are encountered. The night before is not good enough – the bulk of reconciliation and the trial run should be completed weeks prior to the event. Patches required by the year-end process should also be vetted ahead of time. To sum up, preparation is key, an ounce of prevention is worth a pound of cure, and always have a backup. Conﬁrming that you’re ready to go will allow you to pour yourself a beverage, rest easy, and close the year in style. Run Aging Reports One of the easiest methods for analyzing the state of a company’s accounts receivables is to run an accounts receivable aging report. This is typically a standard report that can be run in almost any accounting software package. This report divides the age of the accounts receivable into various periods of time, which you can sometimes alter within the accounting software to match your billing terms. The most common time buckets are from 0-30 days old, 31-60 days old, 61-90 days old, and then older than 90 days. Any invoices that are past the 30-day mark are worthy of raising a red flag, especially if they fall into the older than 90 bucket. Running these aging reports regularly can highlight vendors that perhaps you should negotiate different terms with, or require/allow different payment terms for, given their ability to pay in a timely fashion or not.

We focus on making security set up easier, making audits easier, and adding better controls to the Microsoft Dynamics GP platform. I like to boil it down to the three questions we help Users answer: Who has access to their system, where the risks are, and who is making changes. GPUG: What is the #1 way Fastpath products streamline year-end for Microsoft Dynamics GP Users? AS: Our solutions help Users be confident that they have the right tools to help mine the questions the auditors are looking for. We also ensure the right controls and the right people are in the software doing the year-end closing. GPUG: What Fastpath products were Microsoft Dynamics GP Users most excited about at Summit? AS: We had just released Identity Manager for Microsoft Dynamics GP, and that was definitely the biggest draw for us in Reno. Identity Manager helps admins take control of that User provisioning process so that they can set up everything a new employee needs for Microsoft Dynamics GP and then send that off for final approval. GPUG: How was your experience at Summit 2015? AS: I always enjoy GPUG Summit as it goes beyond the traditional conference. GPUG has so much

personality to it, and it’s a relaxed and engaging atmosphere to build up the community. There were a lot more Users and new faces. The team and I had great interactions throughout the week. I loved seeing a lot of newer presenters as well. They brought a fresh perspective that I really enjoyed. It’s fun to see new people take on leadership roles within the community. GPUG: You presented a few leadership sessions yourself in addition to security and auditing. What did you gain from that experience? AS: I was amazed at how well-received those leadership sessions were. I did a session around tribal leadership and could see the wheels turning for Users on how they could apply the practices in their own oﬃce setting. I had so many attendees come up afterward with feedback that they couldn’t wait to bring it back to their teams. It was a great idea for GPUG to have more of these teambuilding type sessions that ultimately motivate Users and can be just as important as product tips and tricks. GPUG: Fastpath held an amazing bowling party in Reno. How did that go? AS: People LOVE bowling, and I don’t think we realized just how big of a hit it would be. The place had 78 lanes, and all the lanes were full the whole night. I ﬁgured most people would hang by the bar and mingle, but there’s something universal about the sport of bowling, and it was a great night. GPUG: In summary, what would you say is your favorite thing about Summit? AS: In the virtual world we live in, we don’t get to see a lot of our Customers face to face, and there is something so valuable in that type of interaction. Summit gives us that opportunity to take our Customer relationships to the next level. We’re already looking forward to Tampa, so if any Users have ideas on where to have our party, email me! GPUG: You also presented a few sessions in Reno. How did those go? DB: Yes, I did a few live presentations of the MetaViewer Fast Track solution. During these sessions, I walked everyone through what the solution does, what the workflow process looks like, and how it communicates with Microsoft Dynamics GP. I think these sessions were well-received because Users could see MetaViewer in action rather than watching a PowerPoint presentation about what it could do. GPUG: What is your favorite thing about GPUG Summit? DB: The energy and enthusiasm is everywhere. From the Expo to the sessions to the after-parties, the community aspect of GPUG is very apparent, and the enthusiasm that goes with it is energizing. GPUG Summit is also a great opportunity for us to meet new people, reconnect with old friends, and learn and share new ideas. GPUG®: Who is Rockton Software, and what do you offer Microsoft Dynamics GP Users? Mark Rockwell (MR): We are all about making work simpler & easier® by offering add-ons that take great pains out of Microsoft Dynamics GP. Rockton Software has been in business since 1999, and we have more than 3,000 Customers. We’re very passionate about Microsoft Dynamics GP and especially the history and community that go behind it. GPUG: How do your add-ons improve the yearend processes for Microsoft Dynamics GP Users? MR: SmartFill offers major usability improvements where Users see immediate benefit in time savings. But more specifically to year-end, we have Fiscal Period Open Close which (just like the name says) streamlines year-end fiscal period open and closing. For multi-company operations, it saves hours of work. Instead of having to log out and log back into multiple companies, Users can open and close periods on one screen for all companies. We have clients with 300 to 400 companies, so that’s huge for them. That’s just one of our 25 tools in the Microsoft Dynamics GP toolbox, but it’s a very important one for year-end. GPUG: What add-ons were Microsoft Dynamics GP Users most excited about at Summit 2015? MR: They were most interested in seeing the recent changes we made to Auditor. We redesigned the auditor note maintenance window so Users can manage multiple outstanding notes along with more usability options. There are ease-ofuse enhancements across the board along with improved status indicators and tracking. Users always get excited to see SmartFill, too, which is our speedy data entry tool. We’ve had that product for 12 or 13 years, and people are still saying, “Where have you been all my life?” GPUG: As a longtime sponsor, how has the event evolved over the years? MR: From the very beginning, I thought it was a

great idea so I was on board, but there was some trepidation about people attending. Less than 200 people were at GPUG Summit in Redmond in 2006, and it took at least three to four years to really gain momentum. Then the recession hit in 2008, and one of the hardest decisions for us that next year was whether or not to sponsor. We did, and we made the right choice as Summit has grown phenomenally year over year. I believe we reached about 4,200 attendees in 2015, and it’s only going to get bigger. It’s exciting to see that type of growth and support of the community. All those involved see the value of the event. It’s brought to us by Users for Users. Organizers are driving content that Users care about, and that content is answering how to get more out of the solution TODAY versus in the future. GPUG: You’re famous for writing up little ditties that describe your solutions. What tunes did you cover on stage in Reno? MR: I sang an oldie but goodie for Microsoft Dynamics GP using the tune of, “A Few of My Favorite Things”. Some may have heard it before, but there were so many new attendees, I had to deliver it again. It’s one of my favorites. What most people don’t know is that those ditties are written on the plane on the way to an event. My creative juices ﬂow best during deadline time. GPUG: You and your company are obviously big supporters of the community. What about GPUG are you most fond of? MR: It’s really about the sense of family. GPUG is full of genuine people with genuine connections. People care about one another, and you don’t always see that in the technology world. I think a lot of that can be attributed to the culture that Doug Burgum created with Great Plains. I built my company on that sense of family, and it’s still apparent. It’s more about putting people before proﬁts and doing what’s right while making a human connection. It’s great to be able to have real conversations about real things. You build family, friends, and trust when you get more involved in GPUG, and that’s the very strength of the community. GPUG

Additionally, employees were bogged down with paper timecards that required manual calculations and supervisors’ signatures, and they had no insight into all of their available time off. “Gathering the data would take us an entire day, and only then could we begin the actual payroll process,” says Jean Stevens, director of finance and administration. However, since partnering with Sierra Workforce Solutions, Stevens says EVAA has taken the paper out of their payroll processes. With an electronic view of time-keeping data, EVAA can schedule employees accordingly to ensure the airport stays open and can process payroll much faster. “Gathering the data from our paper processes was reduced from a day to only a few minutes,” says Jean. EVAA employs 18 safety officers who work a rotating schedule over the span of 27 days. The safety officers receive comp time after the 27-day period, and with the help of Sierra Workforce Solutions, EVAA can now track comp time electronically. “We are small, but we are complex,” explains Jean. “It used to take us at least a week to get the comp time out to our safety officers, and now it only takes about five minutes.” In addition to making scheduling easier to manage, employees have insight into their time information and are held more accountable for what they enter into the system. Their quest in eliminating all paper processes is well on its way, and Sierra has been a major partner in that endeavor. “The destruction of records needs to be approved by the state of Indiana, so the move to electronic data will make it easier for us to report, saving us money on storage and shredding fees, while also eliminating the risk associated with housing personal information,” says Jean. Sierra Workforce Solutions has made so much possible for EVAA and continues to work with them through any timekeeping issues. “Sierra is not just a time-keeping system for us,” concludes Jean. “It has transformed our reporting and calculates benefits for us, so that ultimately we can better serve our employees.”

As a world leader in the staffing industry, Manpower is all about matching the right individual with the right job. Manpower’s Wisconsin office does so across four states, and in doing so, manages to send out about 10,000 W-2s every year. Each client’s job order is different, and this creates one of their biggest compliance challenges with new IRS requirements for Affordable Care Act (ACA) reporting. Cheryl Johnson, benefits specialist, explains, “Sometimes employees are assigned for two years, and sometimes they’re assigned for two days. Tracking these unique instances, and the benefits that should be tied along with them, is a tricky job. Our variable-hour workforce requires a solution that can dig into the details.” Manpower’s Wisconsin office uses Microsoft Dynamics GP. Because in-depth ACA tracking tools and electronic filing capabilities are not innate to their system, Manpower was worried they wouldn’t be able to meet their extensive reporting obligations with the IRS. Cheryl shares, “Simply tracking the measurement period of ACA was an absolute nightmare. For W-2s, it’s easy: Everyone gets one. But the 1095-C forms are dependent on how many hours an employee works.” When Manpower came across Sypnio Software (now Integrity Data’s ACA Compliance Solution) in 2014, their worries were quickly eased. They now had automation to determine an employee’s eligibility for insurance based upon the employee’s hours of service in a prior test period. “With this solution, we can run a report by employee to show what month they’re eligible for benefits instead of manually reconciling that data.” Cheryl adds, “I just click on their name and can see all that information, along with which months and number of hours they worked. There’s no way to measure the value of time savings that it’s creating for us.” Not only does the reporting fit exactly to their record-keeping needs, Integrity Data’s ACA software auto-populates 1095C forms for mailing or emailing to their employees and also automatically generates the ACA forms needed for electronic filing with the IRS. Jenny Becker, financial services group controller, says, “Sypnio had a head start on the law from the very beginning. They kept up on all the IRS changes and now have a few years under their belt, whereas Microsoft Dynamics GP is just gearing up.” The ACA requirements have changed so much since its rollout and, for every change, Integrity Data releases an update. “Even if they don’t think it will be permanent, they still make the software current so that we’re compliant,” Jenny says. “Cheryl and I can finally sleep at night.”

ExamWorks, Inc. is a leading provider of independent medical examinations, peer reviews, bill reviews, Medicare compliance, case management, and related services to the insurance and legal industries, third-party administrators, self-insured parties, and federal and state agencies. The company was established in 2007, and since then, has grown to more than 50 locations in the U.S., Canada, Australia, and the U.K. This rapid growth is due to a number of acquisitions in their eight short years of business. Jim Harris, director of information systems says, “We have been busy buying companies left and right, and Microsoft Dynamics GP alone couldn’t provide the level of flexibility we needed.” With the number of business units, ExamWorks lacked the ability to present information consistently to the doctors with which they worked. “We couldn’t present details about pay rates or services provided in different layouts across our different checkbooks,” Jim shares. ExamWorks also had two levels of payables for which to account. Some of their doctors get paid in advance while others are through regular invoicing. Users would have to go through cumbersome processes each time: One for prepay, and then another for the regular invoices. ExamWorks implemented Mekorma soon after their Microsoft Dynamics GP project and gained amazing efficiencies for their Users on the front-end. In addition to being able to handle multiple entities/business units while maintaining consistent branding and processes, ExamWorks is able to provide timely and accurate information to doctors so they know what they’re getting paid for at any given time. “Any time someone is getting paid for a number of services, it can lead to a ton of questions,” Jim explains. “Because we can provide them detailed reporting of services paid, we’ve been able to cut down on these questions, clarifying things right from the beginning.” Mekorma worked extensively with ExamWorks to create customized fields and logic to determine if a payable is a pre-pay or regular invoice. Instead of Users going through the manual process twice, the formatting of checks all happens in the background. “All Users have to do is pull transactions into a batch, and Mekorma does all the formatting,” Jim explains. After eight years of rapid growth, ExamWorks has not had issues with expanding the number of business units or the number of checks they send out, and a lot of that is thanks to Mekorma. “Having payables be a smooth process is extremely helpful,” concludes Jim. “We know checks are properly formatted and structured, and that allows us to focus on all the other craziness that comes with buying companies.”

She’s able to produce a lot of content in both English and French, which most of us Canadians aren’t actually doing yet. On my desk right now... I actually had my ofﬁce painted recently and cleaned off my desk in preparation, otherwise this would be a much longer list. Right now I have three computers, a printer, a Surface Pro 3, and the receipts from my recent trips to Fargo and Reno. My three goals for 2016... 1. Go to the gym more 2. Attendance of 20 Users at at least one GPUG® Toronto chapter meeting 3. Five new employees When I’m not at work... We are pretty much a hockey (ice hockey) family. I play once a week, I am an assistant coach for my son’s team, and my wife is an assistant coach on one of my daughters’ teams. Beyond family stuff, I am an avid reader and terrible golfer.
