Here to Help You Learn ello, BCUG/NAVUG! Yes, I know that’s a tongue-twisting mouthful, but what else would you expect from our ever-changing, continuously improving ecosystem as we have crossed the finish line of 2018 and are now a couple months into 2019? We stand at a new year and a new beginning to learn about and implement fresh innovative technology solutions to improve our businesses and daily lives. This is an exhilarating time, and I am very honored and excited to be your new BCUG/NAVUG board chairperson. I have been involved in this community almost since its inception, and never did I imagine holding the chairperson title despite always being involved in the programming committee and actively participating on the Open Forum at navug.com. We have had many great leaders, and I hope to continue the trend. In the last issue of BCUG/NAVUG Magazine, our previous chairperson, Holly Kutil, wrote about always being excited about the next big thing. Well, we are becoming knee-deep in that next big thing while new big things continue to develop on the horizon. It has been a year since the first release of Microsoft Dynamics 365 Business Central in the cloud. More and more businesses are learning about it as well as Microsoft PowerApps and are planning their future roadmap to implement these powerful new solutions. We have been promised that many benefits will be realized from the world of extensions, PowerApps, and Microsoft Dynamics 365 Business Central, but the road to get there can be tricky depending on your starting point. Please remember that your BCUG/NAVUG community is a great place to get started with your education. I encourage everyone to reach out to other Members on the Open Forum and ask questions and advice. Check out the large library of recorded webinars and resource links at navug.com. BCUG/NAVUG also has big plans to bring information and knowledge to you in person. We hold our annual Focus conference in Houston in March, and of course, we’ll visit Orlando for User Group Summit in October. Additionally, look out for the 2019 World Tour with European stops in London, Copenhagen, and Amsterdam. The 2019 User Group World Tour has plans to visit multiple cities in Canada and the USA’s Pacific Northwest, Midwest, and Northeast. There’s also plenty to learn by networking with your local chapters. This magazine is another great resource to hear about real stories from Members who have implemented Microsoft Dynamics 365 Business Central and other Microsoft tools. After gathering information and building your knowledge, begin discussions with your Partner to plan your roadmap of the future. I want to close by encouraging you to reach out to me or any board members if you have ideas to improve this community or want to become more involved. What Technology Can Do for Your Business ow do you and your company view “technology”? I’m talking technology in general, as a genre, the overall realm of software and hardware and the internet, etc. Is it a strategic enabler, a means to an end, or an inescapable expense and nuisance? When I started consulting many years ago (there’s no need to speculate how many, thank you), we described technology using lofty terms, but, in essence, as a method to enable strategic fulfillment, new capabilities, dreamy process efficiencies, and data insights. I believed that, but in retrospect it really seemed to be a well-honed sales pitch. From the creation of ERP systems until fairly recently, the basic “forms over data” model has ruled. Now in 2019, I truly believe that any organization interested in growing and being better needs to ensure they approach “technology” with an open and inquisitive enthusiasm. To borrow from a well-known quote, “Ask not what technology your business needs, ask what technology can do for your business”. The explosion in the past few years of apps, services, data availability, business intelligence capabilities, bots, and more can easily be overwhelming but should not be ignored. Which brings me back to my question: How do you view technology at your organization? Who has the responsibility of keeping up with new tools and services and trends and connecting them to helping your existing operations or enabling new opportunities? Is this a key performance indicator (KPI) on your CEO’s goals sheet? Is your executive management team driving an attitude of continuous improvement via technology through the entire organization? How this is done at your organization is, of course, dependent on what works for your company’s culture, but this is clearly an activity that requires executive sponsorship and regular activity. Perhaps you’re fortunate enough to have a CTO; perhaps your Partner meets with you regularly to discuss. Or it could be that some of your team members are naturally inclined to keep up with the latest innovations and would enjoy the opportunity to contribute ideas. But it’s definitely not going to happen by itself. As always, we’re here to help you do more with what you have and help you take advantage of new technology and ideas. But also, as always, you have a business to run and a product to get out the door. So, we’re always focused on making it “real”—providing education and insights on what you can achieve now without requiring a Fortune 500-sized budget. You’ll read stories in this issue of what your fellow community Members have accomplished via new technology. If you’re attending User Group Focus Houston, you’ll hear real insights and outcomes intended to be actionable for you now. Throughout this year, as we absorb the shift to Business Central and help you plan for that transition, we’ll continue focusing on the broader view of technology: to enable you and your organization for bigger and better capabilities. Every year, thousands of conversations take place in the BCUG/NAVUG online communities, at chapter meetings, in virtual programming, and at conferences and events. We are honored to recognize community leaders who go above and beyond to share their knowledge and experiences to serve their Microsoft Dynamics 365 Business Central and Dynamics NAV peers. At User Group Summit Phoenix, we were honored to recognize outstanding community Members for their contributions to the User Group through the Gemstone Awards. CHAPTER OF THE QUARTER
Washington (Seattle) Guy Lacey joined the Seattle, Washington chapter leadership team in 2015. Recently, Bob Stahr, Katie Farrell, and Annalisa Parnell joined Guy and stepped into leadership roles within the chapter. They have worked hard to maintain an environment that emphasizes a positive relationship between developers and Users. “The best work we’ve done in our Microsoft Dynamics 365 Business Central and Microsoft Dynamics NAV environment has been driven by the partnership between developers and Users. Strengthening that bond and including more real-world content helps ensure we’re bringing value to all User roles,” says Guy. In November 2018, the chapter held their first meeting as a new leadership team. Even though this was their first meeting in their new roles, the team described the meeting as a success. “People drove significant distances in order to attend, and we got feedback from our attendees saying it was a great experience, and they plan on attending again,” Katie shares. In the future, they look forward to offering a streaming option for Members who are unable to travel to the meeting location. When reflecting on topics discussed within the chapter, it was about going back to the basics. At the most recent meeting, a Partner came in and showcased shortcuts and how to utilize Microsoft Dynamics 365 Business Central and Microsoft Dynamics NAV in the most efficient manner. In addition, all of those who attended User Group Summit shared the highlights of their week spent in Phoenix. Looking ahead to the rest of 2019, there are five scheduled dates for the chapter to meet. The push for this year is for Users to have more speaking opportunities. “Traditionally, we have a lot of sponsors, ISVs, and consultants talk. Although these are great, going forward, we want to hear more from Users to find out what has been helpful for them. As participants, hopefully others can take these helpful tips and bring them back to their businesses,” says Katie. After presenting at a chapter meeting about their experiences, both Katie and Annalisa found that sharing User insight was important. “We talked a lot as a leadership team about how people learn best by teaching something,” shares Annalisa. Bob went on to explain, “You learn something best by teaching it because you have to be one step ahead of your students.” With plans for their next meeting in place, the team intends to focus on how to be a good presenter as well as becoming closer with their Members. This

will involve doing site tours as a group, volunteering, and spotlighting more Users. The overall message from these chapter leaders is that chapter involvement is worth the time. “Although it can be difficult to justify the time to attend local chapter meetings, it’s always worth it in the end… even when you have to deal with Seattle traffic,” concludes Bob. S
o you’ve decided to implement an ERP. You’ve defined your requirements, assessed your options, proposed the best ERP for your business, secured the funding, and made the purchase. Great! Now it’s time to organize your implementation team and implement your new
ERP system. But wait—are you prepared for the emoticons that are about to emerge? I’ve been implementing software since President Reagan told Mikhail Gorbachev to “Tear down this wall!” I’ve implemented large ERPs, small ERPs, document management, timekeeping, payroll, learning management, and many more software packages from many different vendors. Most recently, I have been implementing Microsoft Dynamics 365 Business Central. All these implementations have one thing in common: change. And change is hard! When I kick off a software implementation project, I let everyone involved know what it feels like to go through change. The most important slide in my slide deck is titled, “The Eight Emoticons of an Implementation”. It’s about acknowledging change and preparing the team to deal with their reactions to change. If you are in the middle of an ERP implementation, or preparing for one, this article is for you. Here are the eight emoticons of change and tips on how to handle each stage.
Stage One: Excited At the beginning of the implementation, most everyone involved is amped up! Whether the new ERP system will increase sales,

make the business more efficient, or replace an antiquated system, most everyone has wrapped their mind around a positive outcome, and they are excited to obtain it. Everyone involved has time set aside to work on the project, implementors eagerly persue their tasks, and Users freely provide all the information needed. It’s a glorious time! During the excited phase, I ask the team to remember what makes them excited for this project, for they will want to refer back to this emoticon when the going gets tough.
Stage Two: Optimistic
? ? HELP
Now the project has kicked off, and software demonstrations have begun. As the project team demonstrates the software, new business process details emerge. The team begins to realize they unconsciously made some assumptions, and they may not have asked enough questions. “When they said a lot of items, I thought they meant hundreds of items. I didn’t know they meant tens of thousands of items. How are we going to handle this?” At the same time, Users see the software and start understanding the details. “Today we assign the serial number when we enter the order. How is it going to work if we have to assign the serial number when we ship the order?” Everyone has a reason to be concerned. At this stage, most everyone involved remains optimistic. Nonetheless, I remind them that it is natural for new details to emerge, and they should remain confident in their software decision and the implementation team’s skills. That confidence outweighs the concern over emerging issues, so progress continues.
Stage Three: Questioning All the detailed software demonstrantions are now complete, and all Users are beginning to A understand something new: Every department will depend on another department to get their job un done. Concerns surface. “If I understand this right, I can’t complete a sales order unless the item is d iin stock in the system, is that right? We’ve never had to coordinate our work like this before. I just write the sales order.” In the hallways and in the cafeteria, everyone is talking about the project. Manufacturing is concerned that customer service is ill-prepared to create production orders for manufacturing. Shipping wants to hold the sales team accountable for having the correct shipping address before they enter a quote. The service team wants to re-number their parts items, but their numbering scheme conflicts with the engineering team’s item standards. They don’t want to take on the engineers, so they ask the project team to do it for them. Integration is tough work! Naturally, everyone involved starts questioning if the magnitude of the work is worth the benefits of the project. This is the questioning stage! When a team gets to here, I remind the team that their questions are good. Only when the business process and the software are questioned are we able to make changes and only when we make changes, can we realize improvements.
Stage Four: Uncertainty Despite their questions, the team keeps going. The software has been configured, and testing begins. Up until now, everything was conceptual. Now, employees start using the software, and the impending change becomes very real. Tasks that used to be simple are now difficult. “How do I enter an order if there is no customer set up?” “I created the item, but how do I find it?” “How do I get my boss to approve my purchase order?” Some employees readily ask for help. Other employees are determined to figure it out on their own. The bottom line is, employees are no longer sure they can overcome the challenges and make the project successful. This is the uncertainty stage. When employees are unsure, this is the time to remind them of the pain the current system causes them. This is also the time to remind them that you have every confidence that they can overcome these challenges and realize the goals of the project.

Stage Five: Frustrated Employees continue to test the software. They’ve had some successes, but they also have a list of issues that need to be addressed. They’ve put so much attention on the project that the demands of their day-to-day responsibilities are stacking up, and their boss is no longer willing to be understanding. “Forget the ERP project, get those products shipped or we’ll miss our monthly sales goals!” At the same time, the project team is calling because the developer needs a few examples of the errors that were found last week. Everyone is tired because they have been working extra hours, and they long to be convinced that everyone else on the implementation team is doing their part. “Who is working on all the issues I have identified?!” Frustration sets in. At this stage, I find it important to let the project team vent. Let them express their frustration, but don’t let them stay there. It’s also important to be understanding of employees’ other responsibilities, but at the same time, these responsibilities cannot become an excuse for not getting project work done. Once employees get their frustrations out, refocus them on project tasks and keep them moving forward.
Stage Six: Overwhelmed A a good portion of the project tasks are now complete. Employees’ confidence in the software is building, and they have accepted the fact that the implementation will not be stopped. They’ve e realized there are no superheroes showing up to complete the remaining project tasks, and they must power through to get the job done. Still, there are many issues to resolve and many tasks to complete, and they are tired! “Who is coordinating the changes with the developer?” “Does the packing slip format meet the government’s requirements?” “Dang! We forgot about that export form—can we get that export form printed in the new software?” “And the reports—has anybody even looked at a report yet?” This is the overwhelmed stage. At this stage it is important to encourage the team to focus on completing one thing at a time. This is not the time to look at the big picture, this is the time to move forward one step at a time. Buying the team caffeine or extra food never hurts during this time phase—everyone needs a little extra energy to keep going.
Stage Seven: Nervous As the go-live date approaches, nervousness sets in. Employees have successfully tested every aspect of the software, so they are fairly certain they can conduct business with it, but doubt remains. “What happens if I put the wrong price on the sales order?” “I know I have documentation to refer to, but who do I call for help if I can’t figure it out?” “Are you sure I can create a journal entry if I make a mistake?” At this stage, it is important to ensure every item on the issues list has been successfully resolved, there is a detailed cut-over task list, and all project team members are available to support employees on the go-live date. It is also important to reinforce the team’s successes and build confidence.
During the excited phase, I ask the team to remember what makes them excited for this project, for they will want to refer back to this emoticon when the going gets tough. H1 2019

Stage Eight: Relief Eventually, all employees make the transition. They let go of the old way of doing business and embrace the new software. First they find confidence in the daily transactions—sales orders, production orders, invoices, purchase order, etc. Later, they find confidence in the lower volume transactions such as sales returns, credit memos, and warranties. With time, their confidence builds enough to resolve errors on their own and even prevent errors without support. Even more time is required to trust the data and become confident in the reports and data analysis. Nonetheless, all employees eventually make the transition. This is the relief stage. When the team moves into this stage, reinforce the success. Implementing a new ERP is not an easy task. Compliment the team, publicly acknowledge their hard work, and reward them with time off or a bonus. They are leaders in your organization, and they should be commended for their efforts. One of my favorite quotes comes from Charles R. Swindoll: “Life is 10% what happens to you and 90% how you react to it.” That couldn’t be truer in an ERP project. All ERP implementation projects go through the excited, optimistic, questioning, uncertainty, frustrated, overwhelmed, nervous, and relief stages. These emotions cannot be ignored or denied. It’s important to expect the emotions and react to them with ease, grace, and confidence. Getting stuck in one of these emotions increases the likelihood of a failed project. Successful projects acknowledge the stages and keep moving through them to get to success.

Building the Digital Finance Workforce of Tomorrow ultichannel capture and workflow technologies have gone a long way in helping accounting firms and finance departments across many industries make data work for their businesses and not against them. With financial process automation, organizations can now streamline and speed the purchase-to-pay, order-to-cash, and record-to-report cycles by capturing and extracting information from any source, automatically routing it into an approval workflow, and transferring information into the system of record. However, although the ERP system is the powerful core of your customers’ financial operations, it has its limitations. Most organizations are still forced to allocate employees to tackle the time-consuming, manual work to process information from third-party sources or to handle those tasks that are unique to their business. Therefore, even if financial process automation has already been implemented, there are likely significant workflow gaps and blind spots that can debilitate decisionmaking and ultimately strain customer and vendor relationships.

Financial process automation solutions are just not designed to link to multiple, disparate internal and external Financial Process Automation is Only Part of the Equation Let’s assume an organization has adopted financial process automation technology and perhaps built service-oriented architectures to enable applications to work together. Even though these systems can acquire data from multiple sources, enhancing and properly delivering the information likely requires some significant IT skills. The challenge is further compounded when dealing with automating processes that span across internal enterprise applications and external partner and customer systems, websites, online services, and so on. The bottom line: Financial process automation solutions are just not designed to link to multiple, disparate internal and external sources to access or integrate data, or the myriad of other manual tasks that are unique to a business. Further complicating matters is the fact that as a business grows, with more data comes more complexity; it’s easy to revert to adding more resources to address the problems. But there’s a better way than throwing people at the issue or investing in expensive custom development to try to work around the ERP.

Bridge the Process Automation Gaps with RPA Enter robotic process automation (RPA), a powerful capability that seems purpose-built to bridge the automation gaps in finance and accounting processes. RPA is designed to serve as a complement—not a replacement—to an existing finance and accounting automation workflow and can scale to meet the needs of any size accounting firm or organizational finance department. Because RPA sits on top of an organization’s existing technology, it works well with installed core systems and can be implemented quickly to minimize operational disruption to day-to-day business. RPA uses software robots to mimic specific rulebased actions a person takes while working on a computer (but with 100 percent

User Case: Invoice Processing A global telecommunications provider received 1,000 pieces of mail every day in AP, mostly invoice-related, and they relied on inefficient, manual processes. Now, dozens of software robots retrieve 9,000 invoices/month from 30 vendor websites and deliver the data to finance systems, ready for processing and payment. RPA works within enterprise systems, in desktop applications such as Microsoft Excel, and across external sources such as websites and web portals, for example, logging into a supplier portal to gather information or copying and entering data between applications. When you consider the entire finance and accounting spectrum, there could be from hundreds to hundreds of thousands of interdependent rulesbased tasks that need to be performed in the same order, over and over. This is where RPA shines. In short, RPA empowers organizations to delegate the time-consuming, errorprone manual tasks to the robots, and elevate employees to focus on more strategic, higher-value tasks. Exactly where RPA is best applied within a particular organization or department will depend on its most pressing current priorities and long-term goals.

Reporting Currency
in Microsoft Dynamics 365 Business Central and Dynamics NAV his article explains how to make a difference in your company TODAY by setting up additional reporting currency in Microsoft Dynamics 365 Business Central and Microsoft Dynamics NAV. Your company may benefit from this function, particularly if you need to report to a parent company in a currency (e.g. EUR) different than your local one (e.g. CAD). This function can help by saving you time and showing the most up-to-date balances/net changes (in the local (LCY) and/or foreign currency ($)) on your chart of accounts AND financial reports. This is achieved by automating some processes required to obtain amounts in a currency other than LCY or to align the amount in $ with LCY. It is worth mentioning that the companies that use consolidation entities require a separate set-up that goes beyond the scope of this post. In order to make the Additional Reporting Currency function work, it is necessary to set up the following four areas: » Currency Card, » G/L Account Card, » General Ledger Setup, » Adjust Exchange Rate function (Batch Job). The first component needed is the Currencies List. To do so, it is possible to use the Search Box, or go to Departments> Administration> Lists> Currencies (NAV). Next, the system requires to open the Card of the Currency that is to be set up as the Additional Reporting Currency. With the out-of-the-box functionality, it is only possible to set up and use one Additional Reporting Currency at a time. The fields that the system needs on this card are: » Realized G/L Gains Account, » Realized G/L Losses Account, » Residual Gains Account, and » Residual Losses Account. These accounts are required for the system to be able to do the background posting if necessary.

Currency Card Screenshot 1 shows the List, the Card, and the FastTab that are required. Next it is necessary to go to the Chart of Accounts List (Search Box or Departments> Financial Management> General Ledger> Chart of Accounts in the Departments). On a “G/L Account” Card, under the “Reporting” FastTab, the following three options are available:
G/L Account Card » No Adjustment – if this option is selected, when the “Adjust Exchange Rate” Job Batch is ran, (even if the “Adjust G/L

Accounts for Add.-Reporting Currency” option is selected), the system will NOT update any amounts on these G/L Accounts. » Adjust Amount – if this option is selected, when the “Adjust Exchange Rate” Job Batch is ran, the system will only adjust the LCY amounts on these G/L Accounts. » Adjust Additional-Currency Amount – if this option is selected, when you run the “Adjust Exchange Rate” Job Batch, the system will only adjust the $ amounts on these G/L Accounts. Depending on a company’s needs, G/L Account purpose, and Type, different options can be useful. Users may find the third option most useful in most cases. The “Adjust Amount” and “Adjust Additional-Currency Amount” options should only be used on G/L Accounts of Type “Posting”; using them on G/L Accounts of Type “End-Total” will cause an error upon running the “Adjust Exchange Rate” Job Batch. Next, the system needs the General Ledger Setup to be updated. This can be accessed by typing “General Ledger Setup” in the Search Box or by going to Departments> Financial Management> Setup> Administration> General Ledger Setup in the Departments. The Field of interest here is Additional Reporting Currency, which is located on the Reporting FastTab:
Additional Reporting Currency Warning Message and Batch Job Screenshot 4 shows the warning message and the dialogue window: The three fields that are required on this dialogue window are: » Additional Reporting Currency (already selected based on the selection on the General Ledger Setup), » Document No. – this is the description that will help Users identify the G/L Entries that will be the result of running this Job Batch, and » Retained Earnings Acc. – The Job Batch above will use the most up-to-date rates available on the “Currencies” List (“Rates” button in the Ribbon). This completes the setup of the “Additional Reporting Currency” function. The only remaining point concerns maintenance. When the Additional Currency Exchange Rates need to be updated, it is necessary to go to the “Currencies” list and to click on the “Adjust Exchange Rates” button in the Ribbon as shown in Screenshot 5:

General Ledger Setup Page Screenshot 3 shows the Field in question must be filled out with the Currency Code that is going to be the company’s Additional Reporting Currency. When a Currency is selected, the system displays a warning message. It is the responsibility of the User to make sure that benefits of taking this step outweigh any negative outcomes (if any). Essentially the system warns that: » If another Additional Reporting Currency has been used before, from now on, G/L Entries will be posted in the new one, AND » Analysis View Reports (Analysis by Dimension) will have to be updated next time a User needs to run them. If the User accepts, the system will automatically open a dialogue window to run the function that recalculates already posted G/L entries in the newly selected Additional Reporting Currency.
Often, companies update Additional Currency Exchange Rates together with Customer, Vendor, and Bank Account rates. However, it can also be done separately, if need be. What is important is that the “Adjust G/L Accounts for Add.-Reporting Currency” Field must be checked off. The “Document No.” (this is the description that the system will assign to the related G/L Entries) and other Fields can be adjusted as required based on the company’s needs.

BCUG/NAVUG: Tell us a little about how this company was formed and your client base. Mark Stocker (MS), Principal Owner: I’ve been in IT for almost 30 years and in the Microsoft Dynamics NAV world for 20 years. My best experience as an IT exec is being able to build a team that very much feels like family. As a result, it’s a fun place to work. Our clients are from all over the U.S. with some having international locations. We’re a completely virtual company. That’s allowed us to attract and keep the best Microsoft Dynamics NAV resources. Nobody has had to move anywhere. We have resources available in every time zone. James Nicholas (JN), Director of Network Services: We have the resources to cover any time zone. We cover evening hours, and we cover European time zones for our Customer base. MS: Tigunia was started 2007 in Phoenix as a company to allow me to pursue my own personal consulting. In 2013 Bret Weber was working for a large oil and gas company where I was contracted. We spent four weeks on the road at all 18 locations of his company. We became good friends. He convinced me to take on more than one Customer at a time, and the floodgates opened: We went from one Customer to close to 100. We’ve doubled in size every year since 2013. Bret Weber (BW), Principal Owner: We said, “We’re good at this. Let’s bring the skill to market.” That’s how we started, and it’s all focussed on Customer service and response.
BCUG/NAVUG: Tell us more about your emphasis on service. MS: Consultants often address their own agenda. It’s what do they want to sell the Customer instead of what does the Customer need. We don’t disappear when the job is done. We’re completely different. When someone sends an email to our help desk, we’re all over it. Not a lot of Microsoft Dynamics NAV groups out there handle and address Customer service in as high regard, but it’s core to our business. But we’re not just a Microsoft Dynamics NAV VAR;

we’re a world-class cloud provider. We’re also looked at as a one-stop shop for Customers. One of the things we’ve started recently (shortly after becoming a Microsoft Gold Partner) is to take the excess capacity at our data center and make it available to our Partners for hosting. This side of our business as a managed service provider is almost equal in activity to the Microsoft Dynamics NAV side. So many Partners may be good on the Microsoft Dynamics NAV side of things but don’t understand the infrastructure side. We started managed services to support and ensure projects are properly sized when setting up Microsoft Dynamics NAV implementations.
BCUG/NAVUG: How are you adapting to the world of Microsoft Dynamics 365 Business Central? MS: They’ve certainly added to the capabilities, and one aspect is obviously the Azure hosting. What Microsoft Dynamics 365 Business Central does for Partners is make the product more of a commodity. It provides the ability to target more small businesses and QuickBooks Customers. While we’re pursuing those Customers, we also continue our path of on-premises or the opportunity for our hosting. We’re pushing hard to grow the hosting business with Microsoft Dynamics 365 Business Central on-premises. On-premises provides more flexibility; it’s essentially Microsoft Dynamics NAV 2019. We see the legacy business having three to five years; we still see people on versions that are 20 years old. The emergence of Microsoft Dynamics 365 Business Central is something you just have to understand as a Partner, and everybody rolls with it. This is a well-designed, great solution and the evolution of the Microsoft Dynamics NAV world. BW: On the infrastructure side of the house, we specialize in any kind of challenge a client can have with infrastructure. They don’t know why, but their environment runs poorly. We
can work and partner with developers to create solutions. It’s about the best solution for the client. On thing we are excited about is deeper integration with the Microsoft suite. What they are providing for Office applications really allows us to provide more services to the client.
BCUG/NAVUG: You seem to develop your services on multiple fronts in response to client needs? MS: Yes. It’s very advantageous. We have a lot of Customers we call rescues. What happens to these folks is that they become orphans from other VARS, and they have extremely complex timeframes to meet. We take on a lot of these combinations of re-implementations or fixes that don’t fit into the Azure-based Microsoft Dynamics 365 Business Central. BW: We’re exploring the CRM part of the business. We’ve been ramping up our resources on Microsoft Dynamics 365 for Customer Engagement and Dynamics CRM and Salesforce. JN: We’re helping Customers look at business technology and how to extend this infrastructure to be more effective with add-on tools. We’re also helping them make their people better educated in utilizing the tools they already have. BW: The speed of business has increased immensely. How fast can you increase your resources? Digital transformation, that’s what it’s all about. We ask the right questions to determine the business needs. JN: We work in a lot of partnerships with client IT staff. Many of our Customers have an IT team, but they rely on a Partner to augment their resources.
BCUG/NAVUG: What value do you find in BCUG/NAVUG? BW: It’s incredibly important just to go into the User Group forums to get a consensus of what’s going on in Users’ minds. Summit is terrific and is a wonderful opportunity to meet everybody and make contacts.

anham Associates’ relationship with Microsoft Dynamics NAV started in 1997 when we created the first distribution functionality for what was then Navision software. We’ve been creating complementary supply chain planning and execution products built directly inside Microsoft Dynamics NAV ever since. With more than two decades of software development in the Microsoft Dynamics NAV arena under our belt, we’ve seen our fair share of change. If you look at the chronology, we started creating supply chain solutions in Navision, which became Microsoft Dynamics NAV (Classic: C/SIDE code). In 2009 there was another tectonic shift when the RTC (Role-Tailored Client) rolled out with its new architecture. And now, Microsoft Dynamics 365 Business Central represents a whole new world of challenges and opportunities for ISVs and end Users alike.
Application Changes When using Microsoft Dynamics 365 Business Central you will notice several dramatic changes: »» First, there is no Menu System. You navigate to different areas of the application from the various Role Centers or by searching for a Page or Report name. This is more startling at first than it turns out to be. Many Users now search this way in the Windows Client. »» The Web Client is the “go-to client” for accessing Microsoft Dynamics 365 Business Central, and this has caused changes in not only how the pages are rendered, but also in how data is displayed. For example, Fact Boxes are used to display additional information from the list page or document line that the User is viewing.

»» ISV products are now required to provide tooltips, so this is a plus. »» ISV products now have a way to publish help on a common site that is linked by a URL stored on the page, which also improves the Users’ experience.
A New Development Environment for ISVs The advent of Microsoft Dynamics 365 Business Central has ushered in a new landscape for software publishers.
New Architecture Microsoft Dynamics 365 Business Central is going to open many new technologies to us, from embracing artificial intelligence, to providing seamless integration to Microsoft and ISV solutions, to making upgrades much less expensive and easier, and to delivering better cloud security and optimization. The actual development environment is continually under development, and by design, will be updated frequently going forward. Several of the key components of the new environment are: »» Extensions are a set of business objects that can create new or extend existing functionality in Microsoft Dynamics 365 Business Central. This means an extension can be installed, configured, used, uninstalled, upgraded, and installed again without changing your base system’s code. Gone are the days of code merges and expensive upgrades. Several innovations in the new development environment make this possible: • Eventing is a major change that allows the extension to subscribe to business events published by Microsoft in the base application. The ISV can subscribe to these events and execute new ISV code creating new features. • Adding data fields to existing tables is achieved by creating a table extension that includes the new data fields. • Adding these new data fields to a page is accomplished by creating a page extension. • An extension can take a dependency on another extension. This makes it possible for the ISV to create several extensions all working together. You can think of these extensions as blocks of functionality, all designed to build on each other.
New Development Practices Microsoft Dynamics 365 Business Central offers three different licensing options, each of which has implications for development practices. Planning is critical to design software to run in all three development environments. ON-PREMISES The Microsoft Dynamics 365 Business Central On-Premises License is a traditional, perpetual license, either located on the customer site or managed/hosted somewhere else, paid for upfront and owned as long as your company exists.

One of the largest changes in the public cloud environment is that it only supports the Web Client. Development implications for on-premises environments: This development environment enjoys the least restrictions. In fact, you can upgrade to Microsoft Dynamics 365 Business Central from Microsoft Dynamics NAV and still make modifications as you have done in the past. Extensions can be added to this environment as well. Both the Windows Client and Web Client are available in this environment. PRIVATE CLOUD Microsoft Dynamics 365 Business Central On-Premises Subscription License is a perpetual license, paid for on a monthly basis, but hosted in whatever way you choose. Development implications for private cloud environments: This development environment that your Microsoft Partner sets up in a private cloud can operate appreciably the same way as the “on-premises” development environment. MICROSOFT PUBLIC CLOUD Microsoft Dynamics 365 Business Central in the Microsoft Cloud is licensed on a monthly basis. This option is hosted and managed by Microsoft in the public cloud with continuous updates. ISV products in this environment are accessed via AppSource. Development implications for Microsoft public cloud environment: This environment provides structure for easier, less expensive, and continuous upgrades, and it imposes several restrictions that the other environments do not have: »» Microsoft Dynamics 365 Business Central source code cannot be changed. The only way to make modifications in this public cloud will be by utilizing the new “AL Visual Studio” development environment to create an extension. »» ISV products must be developed as extensions using the new “AL Visual Studio” development environment. »» .NET Framework cannot be used in extensions. This means that XML and HTTP handling must be done differently using the “AL Visual Studio” development environment. »» Reading and writing text files is also not permitted in this environment. »» Extensions for this environment will be accessed through Microsoft AppSource after being certified by Microsoft and published by the ISV. »» One of the largest changes in the public cloud environment is that it only supports the Web Client. In order to create a single extension that will operate in all three of these environments, that extension must adhere to the requirements of the most restrictive environment, the “Microsoft public cloud.” While creating ISV solutions in these new environments may sound stressful (and we’re not going to pretend it isn’t), it actually gives us an opportunity to further simplify our code. That in turn enables customers to more easily embrace the newest technologies and more quickly reap the benefits.

A New Pace of Change for Customers It may sound circuitous, but in addition to providing numerous business benefits, technology essentially enables technology itself to change faster. The velocity of change today is unmatched and is bound to continue getting faster. Consequently, while there once was a time when you could purchase an ERP system and hunker down for 10 years, that time has passed. The challenge customers now face is finding a pace that works for them in terms of being able to handle the company’s operations and keep up with all the technology innovations in a timeframe that enables absorption of the benefits.
Why All the Changes? We believe the answers are many, but essentially the new technologies incorporated into Microsoft Dynamics 365 Business Central are intended to: »» Offer businesses a way to use Microsoft Dynamics 365 Business Central with less upfront costs (by paying on a monthly basis you can avoid upfront investment, reduce infrastructure costs, fund via departmental budgets, and spend expense versus capital money). »» Simplify and reduce the cost of upgrades via the use of extensions. »» Provide software in a platform (apps) that is very familiar to the younger generation moving into the business world. »» Enable customers to embrace technology at a faster rate. »» Open more innovation by integrating easily with other solutions.
What to Look for in an ISV in this New Age
»» Look for ISVs that offer flexibility and a range of options. These are important factors
because you have to be able to make a transition that your business can support. While being able to move quickly is critical, you’ve got to make that transition workable and be able to achieve it within the parameters of your daily operations. For example, having the option of Microsoft Dynamics 365 Business Central on-premises, with code available if necessary—be it a perpetual license or a subscription license—can be very helpful as a transition step from Microsoft Dynamics NAV to Microsoft Dynamics 365 Business Central in the public cloud. Apps, or extensions that can run in any environment, provide you the most flexibility. »» Talk to your ISV to understand their roadmap. Given that Microsoft’s stated goal is to have two major releases a year with monthly updates, and they’re making Microsoft Dynamics 365 Business Central available in the public cloud, be sure your ISV has a plan for that and for what comes beyond that. The code changes are significant. »» Be sure your ISV has a demonstrated track record of technological innovation. It’s one thing for customers to have to quickly adopt new technologies, but it’s equally important to be sure your ISV is out there pioneering new approaches to technology. Some may wonder if the Greek philosopher Heraclitus was thinking of Microsoft Dynamics NAV when he said, “the only thing that is constant is change.” From our perspective, the arrival of Microsoft Dynamics 365 Business Central represents another architectural leap meant to thrust our beloved ERP system into the future, and we are happily leaping with it! A Few Guidelines for the New Age Microsoft Dynamics NAV has not gone away. Don’t be fooled by people who say Microsoft Dynamics NAV is gone. It isn’t. The name Microsoft Dynamics 365 Business Central is the new name for Microsoft Dynamics NAV, whether you are interested in a public cloud experience, a perpetual license, or the hybrid, which is a subscription license billed on a monthly basis, hosted in a private cloud. Beware of the nomenclature. Users need to be aware that Microsoft has several products that share the Microsoft Dynamics 365 name. When shopping for solutions, you’ll need to dig in to determine that the Microsoft Dynamics 365 product you are buying is “Business Central,” and equates to the former Microsoft Dynamics NAV product. Some Microsoft Dynamics 365 products will not work with Microsoft Dynamics 365 Business Central. Also, Microsoft Dynamics 365 sounds similar to Microsoft Office 365, Microsoft’s online office suite of products.
Where and how you access ISV software. ISV solutions for Microsoft Dynamics 365 Business Central in Microsoft’s public cloud will no longer be licensed through Microsoft. Instead, end User companies will access ISV solutions through Microsoft AppSource and register use directly with the appropriate ISV.
Self-Sufficiency. If they want to, Users can take on many more tasks such as loading data and preparing for their new ERP system. Be careful, though, because with independence comes responsibility.

f o s n a Hu m When you’re not at work, what are you doing? When I’m not at work, I’m mostly taking care of my 7-month-old daughter. My time beyond that is split in a few different areas. I work on the Holoseat (www.holoseat.com), a computer game peripheral that allows you to use under-desk exercise equipment to control forward and backward movement in games. I also volunteer with my church and spend time playing games of all types.
Dog, cat, or neither person? I’m a cat person. There was an incident with a dog when I was really young that for many years left me feeling apprehensive around them. Even though I’ve gotten over it, I’m still more comfortable around cats than dogs.
What hobby would you get into if time and money weren’t an issue? Although it is more of a second business and not a hobby, I’d move forward with the Holoseat itself and further extensions of that type of technology. An unfortunate aspect of video games is that they encourage a more sedentary lifestyle. Gamification, the process of adding game-like elements to an activity, can be used with exercise to try to provide motivation to stay healthy. For myself, and for my co-inventor, J. Simmons, we have found that it still isn’t engaging enough. Taking that exercise and bringing it to games we already want to play, however, works out beautifully. The concept, which we’ve termed exerfication, is adding exercise to existing things we already want to play and using our drive to play those games for our motivation.
What version of Microsoft Dynamics NAV are you on, and how is it making a difference at your company? We’re on Microsoft Dynamics NAV 2016. Since it drives pretty much everything, it is more of a question of what it isn’t doing, and how can we make it handle that, too. The difference Microsoft Dynamics NAV makes at VPT is that it gives us the tools to automate tasks that were once done manually.
What do you appreciate most about the BCUG/NAVUG community? I most appreciate that the BCUG/NAVUG community provides a wide variety of Users and experiences. If you need to do something new for your company, there’s someone out there who has done it. H1 2019

C
onnecting with Customers, listening, and reacting to feedback are essential to keeping any modern business thriving. That is why actively soliciting feedback from our Users around the world is an integral part of the continued development of Microsoft Dynamics NAV into the Microsoft Dynamics 365 Business Central offering, both for on-premises and in the cloud. The largest community of Microsoft Dynamics NAV Users in the world, the BCUG/ NAVUG community, is an important partner for us, and we are very grateful to be able to partner with the BCUG/NAVUG organization to connect with the people and organizations running their businesses on Microsoft Dynamics technologies. In this article we’ll describe one of the ways the Microsoft Dynamics 365 Business Central development teams gather and process feedback from Customers as we constantly strive to make our Users’ and Customers’ needs and perspectives the agenda driving the product. We’ll give examples of how we test the product with Users, what the success criteria are, and how you can get involved to be part of our testing panels and share your feedback. (You should know that there are multiple additional ways to provide feedback about our products; for example via the community site: https://community.dynamics.com.) Just like car manufacturers and other types of producers, testing that a software product or service meets the desired quality criteria is a critical part of the development process. And just like car manufacturers, we use prototypes that we test in practice to help us understand and guide the final design and implementation of software features for Business Central. These prototypes can be:

»» A non-functional mock-up of a design concept to which we ask questions regarding the expectations of the interaction and the understanding of the general concept.
»» An interactive protype in which the User will be able to click through selected use cases and provide feedback on the interaction directly.
»» A pre-release version of Business Central.
Most software development processes are not linear endeavors with a set finish line; rather it is an iterative process. This means that it is important that we keep testing directly in Business Central as well to keep improving the product and to match the work processes of our Users. A recent User test focused on the updated filtering functions for list pages. The five participants in the test were given a login to a pre-release version of Business Central along with a set of tasks related to filtering that they were asked to try out in the system. While the participants went through the tasks, a voice and screen recording took place for us to analyze afterward. As we later go through the recordings, we note down when participants speak out their impressions, explaining what they like and don’t like, and what they expect from the User interface in front of them. With this kind of test, the participants can choose a convenient time to join and use their own computer. The only thing needed is an internet connection. Based on the feedback we get from the participants, we can make corrections to the design and implementation of a feature in the works. With our first test of the filter pane, it was revealed that essential keyboarding support was missing, and that Users frequently got into a state where the same filter field was added several times. We also found that filter settings were remembered on some pages (e.g. Customer ledger entries) in a way that Users didn’t expect. These important learnings were driving changes to the filter feature before it was released in the product. In later tests with Users, we also found that participants need stronger indicators of which filters are in effect; hence, we are currently working on how to indicate better that the User is looking at a filtered view as well as better showing which filters are currently applied. All in all, these findings are a crucial part of the further development of the filtering functions as they give us pointers on what to address and how to prioritize the development. The success criteria for a test with Users is for us to learn how the User interacts with Business Central. As we have described, the aim is not to test the skills of the participants, but rather to test the software and find out whether it matches the expectations and the needs of the User. When participants find it hard to complete a task, it is an indication to us that something in the software needs to be changed. The software we develop impacts the work satisfaction of our Users, which is something that we take very seriously during the development process. Therefore, we are interested in gaining insights into the everyday use of our Users as well. What might seem like a trivial detail can be important for us to understand how to improve Business Central. When analysis of test feedback is complete, we present the insights from the research to the development teams of designers, writers, and, of course, the engineers building the features. Including our Users in the development process is not only just an effort of validating designs or features, but also equally a desire to discover how our Users interact with the software. Predicting up front exactly how Users react and what they expect from a feature is not generally possible, which is why we want to develop Business Central with our Users, not simply for them. We have been fortunate to have a varied panel of testers who are people with different job roles and backgrounds, which provides us with a broad understanding of Users’ needs and demands. When we launch a test, we might ask for specific roles to test the product or feature to make sure that we get feedback from the people who would be using the feature or the part of the product the most. This means that we need all kinds of Users with all kinds of backgrounds to provide us feedback. We thank all of you who have provided feedback through the advisory board so far and hope you will continue to contribute to improving Business Central. New Discussion Forum Features: Reply Email Notifications, Inline Replies, Save Posts as Drafts

ecently, we announced three new community features on the User Group website, all designed to enhance your Discussion Forum experience: reply email notifications, inline replies, and save posts as drafts.
New Reply Email Notifications Participants will now receive a real-time email notification when there is a new reply on a discussion thread that you started or when there is a new post to which you’ve replied. You will see a star icon next to the title of the post that will be automatically filled in when you create or participate in a discussion. When the star is filled in, that means you will receive email notifications.
Interested in getting a notification on a thread that you didn’t create nor have a reason to reply yet? Simply click on the star icon to “favorite” that thread to get real-time post updates on that discussion, and you can deselect it to stop getting notifications on new posts on that thread. Not interested in getting ANY real-time notifications when a post is updated? Simply go to your profile page and navigate to My Settings > Email Preferences and toggle “Participation Emails” to NO.
Inline Replies To make it easier for Users to reply to threads online, you now can make a reply within the discussion thread page to allow you to reference all the replies made when creating your post. This new default is a quick reply option with streamlined formatting options; however, you can click on the “Reply with Advanced Editor” link if you want to use more formatting options (add an image, etc.) in your post. You will still be able to use the ”Reply to Discussion” option to reply to discussion posts online, which has all the usual reply formatting features. This will take you to the standard reply to discussion page with all the formatting options that you are used to having on our forums.
You can now press “Save as Draft” if you need more time to finish before you post your new thread or reply to the community. When you save a post as a draft, you will see a notification confirmation on the discussion page of where to find your draft. In addition, when you start typing a new thread or reply, your post will
now be auto-saved at a frequent interval so you can continue your post in case of the occasional computer or internet issues. To find your drafts so you can continue your post, go to your Profile page and click on My Contributions > List of Contributions. There is a filter that will allow you to sort by your draft posts. Simply click on the option to continue your post, or click delete to remove it.
