VISUALIZE THE SOLUTION Development should happen “outside-in.� This requires visualizing the user experience and reporting needs, defining productivity goals, and sometimes choosing new technologies to accomplish old objectives. For example, deprecating the use of older technologies (like NAS) or using SQL Server and Excel integration in better ways are good for replacing older processes.

BUILD A PROTOTYPE Customers respond to design better if they can see a prototype versus paper specifications. Microsoft Dynamics NAV is an excellent prototyping tool. I like to show the data model and user interface to confirm your needs are being met and to produce a better estimate and project plan.

TEST THE HECK OUT OF IT Nothing, nothing, nothing is more frustrating to a client than to try out a new program, and learn that they just became a tester instead of a user. Testing is NOT your job. My ability to switch hats from programmer to end user allows me to challenge and fix my code. Your job should be to verify and use the work product.

NAVUG: Making History in 2015

t’s March 2015? Really? I still vividly recall standing in front of my TV (yes, I was that excited) and watching the fireworks launch over Sydney Harbor as we celebrated the arrival of a new century. Countering my disbelief at what the calendar says, 2015 started as the most exciting in the history of NAVUG™. We’re unleashing an even wider range of webinars this year – some 160 to 170 – across multiple levels and roles. We’re planning on an even bigger and better Summit, with more than 550 attendees. We’ve welcomed five new members to our board of advisors (meet them and read our chair’s note to the outgoing board members in this issue). We have more than 200 recorded sessions available whenever you need an answer. We’re a community of Users for Users, and if you haven’t gotten involved in the past, now is the time. The theme of our Q1 2015 magazine is “compliance”, which means different things to different people. Whether you’re worried about SEC filings, FDA inspections, or tracking transactions and price changes in Microsoft Dynamics NAV, the proper setup, use, and reporting of Microsoft Dynamics NAV are critical. And because of all the flavors involved, we couldn’t come close to covering all the nuances for all the industries. So this is the start of a conversation. Share your questions, your insights, your challenges, and your solutions on our Collaborate discussion boards at www.navug.com. See what your fellow Members are doing, how they’ve configured Microsoft Dynamics NAV for their requirements, and/or what addon tools they’re using. It takes about 30 seconds to post or answer a question, but it will save you hours of research or head-scratching. While 2015 already seems to be whizzing by, I believe I have learned a secret in making the calendar slow down: Make sure you’re experiencing new things, spend time with family and friends, and stop convincing yourself that everything has to be done now. PT Tech engineers and manufactures industrial clutches, brakes, and control systems; TransMotion Medical (TMM) engineers and manufactures the most advanced selection of mobile, motorized stretcher-chairs for healthcare facilities; and AeroTorque engineers and manufactures torsional controls for the wind turbine drivetrain. At only six months old, the Minnesota chapter already has 57 active Members and is going strong. Adam Johnson leads this fast-growing group and is thrilled to see steady growth and eager-to-learn Users participate. “At our first meeting, I really wasn’t sure what to expect.” Adam explains, “I was very happy to see not only a large group of Users show up, but also a group of Users that were excited about Microsoft Dynamics NAV, excited to learn more about how to better leverage it in their businesses, and excited to network with other Users.” For Adam, the best thing about helping lead the Minnesota chapter is the Users. Adam shares, “Our Members have been very active in posting to the discussion boards and helping answer each other’s questions, as well as attending and actively participating in the meetings we have had. It is very rewarding to see this group thrive the way it has and to know that by helping to organize the group, we are (hopefully)

BRAZIL OR BUST: THE CHANCE OF A LIFETIME JASON CHANCE

J

ason Chance is a senior programmer analyst at Seventh Generation and has worked with Microsoft Dynamics NAV for about seven years to improve sales and operations planning at his organization. But Jason’s technical savvy didn’t start there. From 1999 to 2002, he served in the Peace Corps in the Republic of Guinea, West Africa as a high school math teacher and worked on IT projects as well. While not Jason’s first experience abroad, his Peace Corps assignment grew his love for travel and technology. And another love came from his time in West Africa: Jason met his wife, Nicole, who served in the Peace Corps as an English teacher at the University of Kankan. Ever since their time in West Africa, Jason and Nicole have wanted to give their children, Aidan (9 years old) and Sadie (4 years old), the opportunity to live abroad, and that opportunity has presented itself. Nicole works as a study abroad advisor at Middlebury College in Vermont and has accepted a position to work with the study abroad office in Florianópolis, Brazil for 12 months starting in August 2015. “We’re in the discovery phase right now of figuring out the mass of details, but we’re all really looking forward to it,” Jason shares. His first detail was to get approved to work remotely for a year, although he is concerned that being physically removed from his colleagues for 12 months is going to be a challenge. Jason says, “One of the things I love most about Seventh Generation is being a part of the community here, and I’m really going to miss not being able to have conversations in the hallway or go out to lunch with colleagues.” While Jason also regrets that he won’t make it to Summit in Reno, he will be serving on the NAVUG™ advisory board and programming committee from abroad (what a trooper!). In addition to learning the Portuguese language while in Brazil, Jason plans to learn how to surf, eat a ton of great food, and enjoy the tropical weather and beautiful landscapes. “I can’t wait to explore the country and just dive into the ways of life down there. It will also be an amazing and unforgettable experience for the kids to be immersed in Brazilian culture. We’re lucky to have this opportunity.” As a true Peace Corps native, Jason plans to address the organization’s three goals of providing technical assistance, sharing U.S. culture with the host country, and sharing the host country’s culture with the U.S. “I look forward to sharing Brazilian culture with friends and family when we get back to the U.S.,” Jason says. “I believe our time abroad will make us stronger as a family and give us a greater appreciation of both U.S. and Brazilian cultures.”

tate sales and use tax laws have long been an area of ongoing complexity and change, but emerging technologies have increased that complexity tenfold. It wasn’t that long ago when terms like “cloud computing” sounded more like science fiction. Today, they are well understood by most Americans. As more technology migrates to the cloud and as Software as a Service (SaaS) becomes a common means of software distribution, products are being digitized and downloaded instead of purchased on-site at the store. States are hungry for revenue, but they don’t know quite how to proceed since their laws often define taxable goods as tangible items. States are taking very different approaches to taxing emerging technologies, making it increasingly difficult for companies to move forward with confidence. If you are feeling lost in the transition, you are not alone. The purpose of this article is to provide an overview of the state sales and use tax issues facing large and small companies today and to provide a roadmap for companies to see their way through the complexity.

A Changing Landscape State sales and use laws have always had their unique quirks. Not long ago (it has since changed), North Carolina’s tax code defined “food” as any item that contained flour and exempted those items from tax. As a result, you could purchase a Snickers® candy bar and not pay state sales tax because it contained flour. If you wanted a Mars® Bar, however, you’d better be prepared to pony up because Mars Bars did not contain flour. So you had two pieces of candy from the same supermarket shelf being treated very differently due to a technical definition. Similar issues are arising with emerging technology today. Take Microsoft Office, for example. Just a few years ago, if you wanted to purchase a copy of Microsoft Office, you would walk into a store like Best Buy and pick up a CD/DVD. That disk was taxable because the disk itself was tangible. Today, you can go to Microsoft.com and subscribe to Microsoft Office 365. You receive the same Office functionality, only the software is housed on Microsoft servers, not on your computer. The method of delivery is what’s making one version taxable and one not taxable, depending on where you live. Today, we are probably more likely to download our music from iTunes instead of purchasing CDs in a music store. Or we could access a music streaming service such as Spotify that allows subscribers to play music on any device for a subscription fee. The change in the delivery of products and services has meant changes to the ways states tax these items. 16 | NAVUG Magazine


Increased Regulatory Complexity Predictably, states are taking very different approaches in how they treat digital or cloud-based products, making it exceedingly difficult for companies to stay on top of the multitude of regulations. For example, Pennsylvania, Texas, and Utah have started to provide guidance on the taxability of SaaS products, while some states such as Colorado and Virginia have decided not to tax SaaS products, which could encourage cloud service providers to open offices and create jobs in their states. Some states have begun moving forward on a case-by-case basis, while others haven’t even begun grappling with this thorny issue. One thing is clear: As cloud computing continues to evolve, and as more states seek fresh revenue sources, we can anticipate a great deal more action and change in this space. The challenge is for companies to stay on top of the evolving regulations. Many states are starting to change their definitions of a taxable product. In the past, states would tax tangible items. If it could be held and touched, it could be taxed. Now we’re seeing states change the wording of tax laws, introducing a great deal of ambiguity by saying that personal property is anything that can be perceived by the senses of the purchaser. In addition, they are changing the definition of “situsing” rules. Put another way, they are beginning to redefine where a sale is sourced for tax purposes. For transactions involving sales of digital content and cloud services, the proper application of situsing rules is largely dependent upon how these product offerings are characterized in a given state. The threshold issue is to determine how the product or service is characterized for sales and use tax purposes (e.g., tangible personal property, service, etc.). Once that determination is made, each state’s situsing rules may be applied. However, states have proven inconsistent in characterizing the sale of emerging technologies as tangible personal property or services for sales and use tax purposes. These types of state inconsistencies are the rule rather than the exception. Nevertheless, once the characterization of a product and its taxability are determined, an understanding of a state’s sourcing rules is essential.

Who Gets the Tax? When a company with a cloud in one state sells to a customer in another, which state gets the tax? Is it the state where the User buys the product? Or the state where the server is located? The answer, as you might have guessed, is “it depends.” Some states are using the billing address of who purchased the product. Others have decided to source the tax to the location of the server. Still others take a multiple-points-of-use approach. When companies have multiple locations, things tend to get complicated quickly. Questions that need to be answered include: » Which jurisdiction gets the tax when software is downloaded from a server in one state and used by a customer in another? » Where did the property change hands? » Where did the property originate from? » Who shifts the property to someone else? » Where is the address that gets the bill? A Ray of Hope On the bright side, there’s a growing movement toward simplifying the state sales and use tax code to create a common, universal definition of how to tax these emerging technology products. The Streamlined Sales Tax Governing Board (http://www.streamlinedsalestax.org/), which consists of 24 states coming together to create a uniform sales tax law, has attempted to lead the charge in establishing clear and predictable rules around situsing. Unfortunately, it appears that these issues will not be resolved in the near future. Based on the recent introduction of federal legislation intended to mandate collection on remote sellers (the Marketplace Fairness Act or MFA), the short-term efforts of the Streamlined Sales Tax Governing Board will be focused on the implementation issues associated with federal legislation rather than on these more substantive issues. That leaves businesses in a challenging position because they are the most at risk of being audited. Unfortunately, the burden is on companies to stay on top of the murky state tax laws themselves, but many organizations are simply not staffed appropriately to do that effectively.

So What’s a Company to Do? Smaller businesses have it the hardest given their staffing challenges. Generally, they only have one or two people on their accounting staff, and if they have an online store, they could be doing business in 30 to 40 states. Those two people have a business to run, and it’s difficult to find the time and resources to stay current with evolving regulations across all states. Below is a checklist to help companies of all sizes move forward and truly master the states sales and use tax requirements: 1. Understand your business. First, take a look at your organization’s geographic footprint to get a solid understanding of your business. Where do you have employees? Where do you have inventory? Then take a look at your sales channel. Are you only selling in brick-and-mortar locations? If so, are you going to be adding any over the coming years? Is your business going multi-channel? Are you expanding from brick and mortar to becoming an online retailer? What about the products and services you offer? Are you adding anything new to the mix? Once you understand your business and where it is going, there’s no reason to be afraid of sales tax. 2. Take advantage of technology. Technology can help you stay on top of all sales and use tax law changes in every state in which you do business. estinghouse Lighting is a family-owned wholesale distributor that was started in 1946 and is driven by the power of an American brand – Westinghouse. Westinghouse Lighting carries and provides a full line of light bulbs, lighting fixtures, ceiling fans, and lighting accessories. A little more than three years ago, Westinghouse Lighting had a best-of-breed mentality, trying to operate with multiple systems including parts of Microsoft Dynamics NAV to handle its orders, inventory, and financials. Joe Flynn, lead application developer at Westinghouse Lighting, described this approach as a complex sea of disparate systems, making it difficult for Users to use and trust what they had in place. In 2012, Westinghouse Lighting implemented the complete Microsoft Dynamics NAV solution to replace its other systems. “Once we got onto Microsoft Dynamics NAV, it was a great sigh of relief to have all our data in one place,” Joe shares. Joe has since worked diligently in keeping Westinghouse up to date while optimizing the solution in every way possible. Joe handles all modification requests, bringing them through the review, development, and testing processes. He also wrote the entire conversion for the company’s technical upgrade from version 2009 to 2013 in a matter of three months. “I loved that challenge, and we are lucky enough to have a large IT team that can accomplish some upgrades in-house,” Joe says. “But make sure to bring in help for the training/testing portion.”

Continuity Counts “As a wholesale distributor, it’s critical for our solution to be customizable. In our business, we get demands from the big box retailers like Amazon or Home Depot to make changes in our process by a certain date or else we could lose business.” Joe explains. “The ability to quickly customize Microsoft Dynamics NAV to meet our customers’ demands has been one of the strong points of the solution.” Also, in order to meet those demands, Westinghouse Lighting has implemented a few add-on solutions from Lanham Associates that work directly in Microsoft Dynamics NAV: » E-Ship: This shipping package allows Westinghouse Lighting to shop for vendor rates and print labels with real-time connection to FedEx and UPS. » AFP – Advanced Forecasting and Procurement: This allows buyers across Westinghouse’s global supply chain to predict what they need to buy based on trends and historical data. It’s a very productive tool to assist in future buys and in staying profitable. » EDI: This allows Westinghouse to trade electronically. When a customer sends an order, Westinghouse sends the confirmations, invoices, etc. all through electronic data interchange (EDI). » ACE Warehousing: Although Westinghouse isn’t up and running on this quite yet, this is a radio frequency-based warehousing solution that allows for real-time picking. Order managers can manage all orders on the

Westinghouse also uses a package called TimeXtender, which allows it to extract data out of Microsoft Dynamics NAV and build cubes for external reporting needs. Joe and his team are currently exploring a more robust business intelligence (BI) solution to fulfill the increased demand for analytics. As Westinghouse builds out its solution, Joe keeps the past in mind. “We learned from our best-of-breed approach that we don’t want to be all over the board dealing with disparate data. The complexity that existed created a reactive environment that consumed a large portion of time keeping data in sync. Now that we have continuity, we have more confident Users, a speedy onboarding process, and a way to deliver what we promise our customers. UNDERSTANDING “WIFE SYNDROME” story by Alex Chow, Microsoft MVP and NAVUG Partner Member AP Commerce Inc.

P

erhaps I should change the title so that I don’t sound so sexist. But this is an issue I keep facing almost weekly. It’s a problem that I recognize, acknowledge, and work on, and it’s something I see others working on, too. We would correct it and it would be fine for a while, but then, inevitably, the problem would surface again.

What is Wife Syndrome? Basically, it is that your significant other expects you to read her mind. I’m married to a beautiful and energetic person. I’ve often described myself as a very lucky man, and I’m reminded of this every morning when I wake up next to her. I would describe my wife as an overachiever in every sense from grade school to her post graduate studies. She has really done well for herself. And when she plans a party, whether it’s for our kids or an adult dinner party, you can be sure that everything will be perfect, and guests will thoroughly enjoy themselves. What’s the problem? Well, when doing these preparations, she’ll have a million and one things running through her mind. And every one of these things needed to be done an hour ago. Because of this, not only is my wife a fast worker, but she’s also precise and efficient. She knows how it’s done before it’s done. However, there are things that she just doesn’t want to do (or can’t do), such as taking out the trash, opening jar lids, killing bugs, etc. So where do I fit into all this? Well...I’m pretty much the village idiot. Everything I do around the house is wrong. Or really wrong. Conflict usually arises when I’m called to help her. The more recent example of Wife Syndrome is when I tried to put up our Christmas tree. A live Christmas tree needs a base to stand on, so putting up a Christmas tree is a two-person job: One person to hold the tree up and the other person to direct the base so the bottom of the tree is aligned with the base. Being the physically stronger of the two, I held the tree while she gave me instructions. Here’s our conversation while I was lifting up the tree so she could put the base on. Wife: “Okay, just move it over there.” Me: “Where’s there?”

Wife: “Over here a little bit more.” Me (with my arms getting sore): “What do you mean ‘here’? Where’s ‘here’?” Wife: “You’re almost there. Just a little bit more here.” Me (face red with my arms about to break): “What’s ‘here’?!?!” I was pretty upset, and she was, too. She was upset because I didn’t move it in the correct direction; I was upset because I can’t read her mind. Of course, being a good husband, it ended up being my fault. Despite her many attempts, I just can’t read minds.

How does this relate to a business? Home isn’t the only place where we expect others to read minds. Not only do I see this within my own organization, but I also see it in clients’ organizations for the companies with which I consult. Here’s a typical conversation I have with my colleagues: Me: “Please help client ABC add the ability to block salespeople from changing the price.” Colleague: “Okay, how do you want that to work?” Me: “On the sales line” Colleague: “Just make it the field non-editable?” Me: “No, look at customer XYZ. We did something similar for them.” Colleague: “Where?” And so forth and so on. Why do I do this? Well, after I assign a task to a colleague, my mind is already off to the next challenge/problem. Because I work with very capable and intelligent people, in my mind the task is considered done when it’s assigned. What I don’t realize is that my instructions to them are virtually non-existent. I’ve inadvertently set them up to fail. You may be wondering why you didn’t hire Microsoft Dynamics NAV consultants who can read minds in the first place. I know, I know...It’s my fault. My wife frequently (indirectly) asks me why I can’t read her mind either. But the fact of the matter is that hiring Microsoft Dynamics NAV consultants who can read minds is really, really expensive. The real problem here is that we give less than specific instructions for the tasks that need to be done. This is especially true when things are moving at


a million (and one) miles an hour (or km if you don’t live in the U.S.). Enough cycles of this, and you’ll get employees that are scared to do anything and are always waiting for your instructions. They know if they take the initiative, it’s wrong.

So how do you avoid it?

chemistry will develop. With chemistry, you can pretty much just utter one word, and your colleagues will know what you mean. No one is out to get you, and no one is an idiot; the problem is the lack of information given and how it’s given. In the case of my marriage, I’m still working on how to read her mind. I wish it was as easy as “just communicate”. I think to resolve this is to determine what to communicate. We try to follow these four steps when we want to delegate tasks to another person: » Explain what the problem is now. (Salespeople are changing the unit price when they’re not supposed to.) » Explain how it should work. (The salespeople should not be able to change the unit price on the items. However, they can set their own price for non-item lines.) » Explain how to replicate the problem. (Right now, anyone can change the unit price.) » Explain what you’d like to see as an end result. (When the default unit price pops up after an item is entered on the sales order, it should not be changed. Check out customer DEF as a reference.) Assuming you work with capable and intelligent people, they should be able to fill in the blank on what needs to get done. Giving this type of instruction also requires the “task giver” to fully understand how Microsoft Dynamics NAV works. In other words, you cannot just assign a random person who does not understand the solution to give tasks to developers. Everyone will truly get lost.

Conclusion As the old saying goes, “If you want something done right, you have to do it yourself.” Of course, you can choose to do everything yourself, but then you’d be sacrificing your time doing everything rather than doing something more meaningful. Building a rapport with the people you work with requires time and effort. The better you can describe what needs to be done, the easier it will get. With time,

“I have several companies that need to exchange purchase orders between companies, and we currently email purchase orders. Two companies are on Microsoft Dynamics NAV, and one is on Epicor P21. We are potentially looking at EDI to move the purchase orders between companies. Wondering if anyone else is using this method or has a different method to pass orders from one company to another?” Ryan’s Answer: “Microsoft Dynamics NAV has great tools to import and export data. With three of you on Microsoft Dynamics NAV, I would look at ways to use Microsoft Dynamics NAV import tools. EDI adds a whole different level of complexity and a lot of cost. There are good reasons for EDI, but if you don’t have to go there, I wouldn’t.”

Ron’s Answer: “If you have control of both ends, you can use web services on Microsoft Dynamics NAV to import POs as sales orders and export purchase orders. The two Microsoft Dynamics NAV companies could use Microsoft Dynamics NAV’s intercompany functionality to pass POs back and forth. Epicor probably has similar functionality, or you could import directly to SQL. We have done this in a wide variety of circumstances, and your Partner can help you through this process.”

Does anyone have tips, advice, and/or great resources they could recommend for really learning about how roles work, how they are set up, how best they can be leveraged, and how to develop them with the business areas? While we’ll be digging in to figure this out ourselves, I’d like to reduce our learning curve as much as possible. Thanks!” Meenakshi’s Answer: “The roles and permissions for the RoleTailored Client (RTC) are similar to Classic Client with additional profiles access. So, you will need to give permission for those profile tables, cue tables, and the corresponding pages. If you are familiar with the basic security setup on the Classic Client side, you should be able to manage it with these additions for RTC. Review the basic standard role on how page/profile permissions are set up. I manage all my RTC security myself using the Microsoft Dynamics NAV roles and permissions. So far it’s been working great without any add-on security tool.” NAVUG

The topic was Mark’s (Rhodes, NAVUG director and co-presenter) idea. The theme of the Q4 2014 issue of NAVUG Magazine and our NAVUG community in general is “Driving Efficiency”, and we believe this session is an extension of driving efficiencies throughout an organization.

Learning something new. I find that with each presentation, I learn something new when I’m preparing for it. There is a lot of information on upgrades and it’s always fun to learn what other people are doing. I like to combine my experiences, Users’ experiences, and other resources when preparing my presentations.

Whenever I do a presentation, via webinar or in person, I’m a nervous wreck! But I realize I’m able to learn and experience much more by leaving my comfort zone. I’ve been able to network with others that have helped me grow in many areas, both professionally and personally.

My topic is one that I’m very familiar with as Group O has four databases, and we have done multiple upgrades and implementations. It’s a topic that I think is really important to get right and we, at Group O, are always looking for ways to better prepare ourselves for the next upgrade.

I started presenting a couple of years ago in order to challenge myself professionally. It was not an area that I spent a lot of time working on. It has been a big challenge, but it has also been a really great experience. Through my presentations I have had the opportunity to meet many people in the Microsoft Dynamics NAV community that I might not have met had I not been the presenter. I encourage everyone to try it.

Upgrades are often more difficult than expected. Many of our clients wish they could push a button and the upgrade would be complete. The more modified a system is, the farther away they are from that button push. There are steps that can be taken to reduce that separation, and I would like to see all Microsoft Dynamics NAV Users be able to reap the benefits of keeping up with the improvements Microsoft puts into each release of Microsoft Dynamics NAV. Our team has learned some ways to think about upgrades that I hope others can learn from.

These presentations have introduced me to Users and Partners in the Microsoft Dynamics NAV community, and the sharing of experiences has given me insight into solving problems or inefficiencies in our own business.

Many people say that reporting used to be easier in the past. I have always disagreed with that, except that using Visual Studio has a learning curve. The new Word reporting option takes that learning curve away by using a tool that we are all so familiar with and so much online information is available on. (Have you ever Googled RDLC?) The Word reporting is a great new feature that allows end Users to create a lot of reports themselves without a Partner. As for the upgrade session, for some reason I’ve always liked upgrades more than new implementations. Some of my Customers have been using Microsoft Dynamics NAV for nearly 20 years and have upgraded several times. Having done upgrades for more than a decade from an end-User perspective, I’ve seen many pitfalls, especially in the area of surrounding topics such as upgrading hardware, SQL server, operating systems, and making sure printers are still supported. Upgrading is so much more than “just” moving in a new version of Microsoft Dynamics NAV. I am looking forward to sharing these experiences.

Upgrades have always been my passion, that one was easy. Choosing a reporting session was perhaps mostly about being frustrated with the general opinion that reporting is complex in Microsoft Dynamics NAV, which it is not, especially now with Word as an option for the layout. In preparation, I always combine my personal experience and opinion with Microsoft materials. As an MVP, I have the privilege to be aware of new technology soon and give feedback to the teams while the software is still in its design stage. From this perspective, there are some cool stories to tell around the history of Word reporting, which I will definitely use in my presentation. From my experience, I know that these stories always help with understanding the “how” and “why” of things.

Having done these presentations for nearly 10 years, the biggest personal gain is the feedback and discussion of the audience. This helps me grow and better understand the needs of our community. I use this feedback when talking to the teams in Denmark about new features in upcoming versions. It’s a win-win-win situation for the community, Microsoft, and myself. However…No matter how many of these presentations I have done, I always have a healthy level of nervousness.

As a trained accountant and CPA, I have worked with a number accounting packages. From my initial experiences with Navision in 1999 through today, I am a huge advocate. With more than 50 Microsoft Dynamics NAV implementations under my belt, I am always enthusiastic about the challenges and opportunities new Users encounter with their implementations. I am looking forward to showing my audience that Microsoft Dynamics NAV is a very simple software to set up that can provide solutions for both basic and complex accounting requirements.

Under the covers, Microsoft Dynamics NAV is an accounting system. Posting groups are the building blocks in Microsoft Dynamics NAV, and once you understand the basics, you can create the matrices to meet your financial requirements. Throughout my career as an implementer, project manager, account manager, and end User, I have been challenged with unique reporting requirements. I chose this topic to demonstrate the simplicity of these building blocks to provide solutions for unique challenges.

There is always some extra stress when you commit to presentations outside your organization. It is always good to share information with others, especially when you are passionate about the subject. I look forward to seeing other longtime, passionate Microsoft Dynamics Users and support staff who are also giving their time to collaborate with new Users and the rest of the Microsoft Community.

The Evolution of the Microsoft Dynamics NAV Upgrade Transitioning from Engine Change to Oil Change by Marko Perisic

eople that know me will tell you that it is impossible to avoid a car conversation with me, especially if it goes anywhere close to a German car manufacturer from Stuttgart. In writing this article, I could not help but to compare the upgrade experiences with some car analogies. For those that are not car buffs, no worries, it is a factual article for all of you Microsoft Dynamics NAV Users, Customers, Partners, and…well, we know we have Microsoft Dynamics NAV fans, and we are proud of that. Speaking about Microsoft Dynamics NAV and upgrade in the same sentence usually evokes dual feelings – ones of the pride in product, and some concerns about the upgrades, especially from Microsoft Dynamics NAV 2009 to Microsoft Dynamics NAV 2013, especially from Classic two-tier platform to the new RoleTailored Client (RTC) threetier platform. There have been a lot of concerns. A lot of stories. A lot of myths. So, let’s clarify some of that. First of all, let’s clarify the terminology. When I talk about upgrade from Microsoft Dynamics NAV 2009 to Microsoft Dynamics NAV 2013, I am referring to an upgrade from Microsoft Dynamics NAV 2009 Classic to Microsoft Dynamics NAV 2013. Customers already running Microsoft Dynamics NAV 2009 RTC will have a significantly easier time upgrading to Microsoft Dynamics NAV 2013.

The Engine Change (Not a Car Change) There is a myth that a Microsoft Dynamics NAV 2009 to Microsoft Dynamics NAV 2013 upgrade is a reimplementation. I don’t know where this originated, but I can assure you there have been many very successful upgrades from Microsoft Dynamics NAV 2009 to Microsoft Dynamics NAV 2013. What is the challenge then? In Microsoft Dynamics NAV 2013, three significant changes have been made to the architecture. 28 | NAVUG Magazine

#1 – Two-tier stack moved to a three-tier stack Originally, Microsoft Dynamics NAV was based on a two-tier platform stack. There was the rich Classic Client connecting directly to the database. This comes from the “old” days when software was considered to be the application running on your desktop. In many cases, that is all you had – a local .exe. Then people realized, especially in business software, that they needed to share data between the applications. The easiest way to do that was to connect the applications to the same database. Hence, the simple two-tier stack. The world evolved. Business solutions connected to the rest of the world. Web become the standard. Mobile applications became an intrinsic part of the solution. Services running online in the “cloud” of services “out there” all talking to each other. Taking the two-tier platform into that world was a non-starter. If you have any doubt, you can convince yourself by trying to run a few examples. Connecting external services to an application running on someone’s desktop is unimaginable. Security trimming, User management, scaling, high availability, disaster recovery, backup, load balancing, and many other scenarios are impossible with a two-tier stack, or at least significantly more complex and expensive. This change needed to happen. #2 – Moving from Classic Client to RTC Part of the application tier, in the two-tier model, was the User interface (UI). The User experience, and the business logic runtime, were both running in the same .exe. This UI was starting to look dated. But, most importantly, in the new three-tier world, we needed to have a client connecting to the middle tier. Considering the need for a new client, as well as the dated look and feel of the Classic Client, we decided to


move the client forward into a more Outlook look and feel, as well as to introduce the concept of role tailoring. Roles enabled us to keep adding functionality to the product while avoiding prohibitive complexity by means of surfacing only the functionality to Users that they care about. At the same time, some of the principles of the new RTC built into the architecture allowed us to have multiple rendering targets. The first, and only one in Microsoft Dynamics NAV 2009, was the RTC (later rebranded as the Windows client). In Microsoft Dynamics NAV 2013, we introduced the SharePoint Client. In Microsoft Dynamics NAV 2013R2, we introduced the Web Client and SharePoint app. In Microsoft Dynamics NAV 2015, we brought the best-in-class tablet experience. All of this was possible because of the new client architecture. This change needed to happen. 3# - Moving from Classic reporting to RDLC reporting In Microsoft Dynamics NAV 2009, the reporting engine was very closely tied into the runtime stack. You would essentially run some code, and that code would be able to at any point of its execution “print” out to a report page. This in itself was very powerful because you had the full power of imperative code at your availability during the rendering of the report. At the same time, it was limited for the modern world of reporting. In the modern world of reporting, a report is no longer just a paper page. It is many things. Some reports are still document-style reports, but there are also financial reports, external reporting systems, Power BI, analytics, etc. The classic reporting system was limited in that it did not have a clear decoupling of the dataset, from the processing of the dataset to the rendering of the processed dataset. In choosing the technology to decouple that, we have chosen RDLC, a prevalent technology for reporting in Microsoft. While in some ways it was not as powerful as Classic reporting, in many ways, not unlike the three-tier stack, that decoupling enabled the future of Microsoft Dynamics NAV reporting – OData services, Power BI, Query, Partner tools, external reporting systems, Word reporting in Microsoft Dynamics NAV 2015, etc. This change needed to happen. The many changes that needed to happen also brought with them upgrade costs. If you move to three-tier, you need to start thinking about three-tier deployment – it is not enough to have the database server running ; you will need to think about hosting your middle tier, the NST. If you move from Classic Forms to RTC Pages, it requires a redesign and introduces new interaction patterns. If you move from Classic reporting to RDLC reporting, you will have to rethink how you design your reports. It is a cost, and not an insignificant one. In many ways, going back to the car analogy, one can indeed see this as an engine change. An expensive, high-risk operation that you don’t want to do too often, but certainly not a complete car change. That is, there is no reason to do a complete reimplementation. And, there is an upside to that…

The Necessary and Successful Transition As described above, the transition we have made was a necessary one. Not only did it enable some of the key scenarios in the modern

world, but it also created a platform that enables Microsoft Dynamics NAV as a product to sustain itself in a mobile-first, cloud-first world. It enables us to bring Microsoft Dynamics NAV into the cloud on Azure. It enables us to integrate Microsoft Dynamics NAV deeply into Office 365. It enables us to integrate Microsoft Dynamics NAV with online services. It enables us to broaden the reach of Microsoft Dynamics NAV, beyond the desktop, or the browser, onto mobile devices. While the transition may seem like an engine change in terms of cost, the engine you get back into your car is a much more powerful engine. Moving from the 2009 two-tier, Classic stack onto the modern three-tier stack is like moving from a four-cylinder 60-horsepower diesel from the ’80s into a modern 700-horsepower turbocharged hybrid while at the same time preserving your investments in the rest of the car. A large majority of the application code, written by Partners and Microsoft, is carried into this new modern era of Microsoft Dynamics NAV. You run Microsoft Dynamics NAV on Azure, in Office 365, and on a tablet, and much of the code that runs is the same code that came from the desktop, on-premises world. You get to transition a maturity of functionality into a mobile-first, cloud-first world. Born-in-the-cloud products have a great mobile-first, cloud-first story, but they don’t have the richness of functionality. Traditional, matured-on-premises products are struggling to make the transition into cloud and mobile. Microsoft Dynamics NAV is the only product that has managed to make that transition successfully – to transition rich, mature functionality into the mobile-first, cloud-first world.

More Good News – the Oil Change Model Now that we have transitioned the product into the mobile-first, cloud-first world, we have a stable platform on which future upgrades have become progressively easier. (As a matter of fact, we will soon consider calling them updates rather than upgrades.) As an example, we have Customers that have upgraded from Microsoft Dynamics NAV 2013R2 into Microsoft Dynamics NAV 2015 in one day. We will continue to push that bar even further, pursuing minimal, or even zero-effort, upgrades in the future. We are doing this by the following means: » We are shipping more often. Products that are too long “under the bell”, and away from the market naturally diverge from the market causing upgrade problems, despite the best efforts. » We are intensely scrutinizing any changes. Making a product change has become very difficult internally in our R&D organization. Not because we don’t value innovation, but for the sake of ensuring that we carry the rest of the channel with us. Engineers attempting to make breaking changes will be facing very rigorous scrutiny of the reasoning for making such changes, as well as being asked to explore and report back on options to make the same changes in a non-breaking way. Upgrade has become first priority, not an afterthought. » We have changed our culture to agile development. In agile development you make continuous small modifications that you validate in market and readjust, rather than making big bang Q1 2015 | 29


changes and attempt to integrate/upgrade. Strategic investments are a series of carefully planned micro steps to a larger goal. Not one big push, and deal with consequences later. Because, after all, the whole premise of agile is to operate at zero-debt development. Every time you ship a big disruptive release, you collect debt, both technical and functional. The traditional opinion of that being the only way one can move the product strategically is flawed, and many products, including recent releases of Microsoft Dynamics NAV, have proven that you can indeed walk the product in a strategic direction as a series of small steps. Paula started her naval career at a time when women had to volunteer to go on ship. She was one of the first 72 women aboard alongside 380 men.

“It all came down to teamwork. Being on a floating vessel in the middle of the ocean, it simply has to run as a well-oiled machine! We were successful together.” Paula continues, “It also helps to have a bit of innate tenacity; if you don’t have what you need, you need that ‘get up and go’ to get at it.” Being

O

ften when we think about e-commerce, we think about selling, advertising, marketing, and design. While these are all critical to your e-commerce success, equally important is getting your operations structure ready during your shopping cart development. Before you start your shopping cart project, consider the operational impact. Plan your web store in a way that will fit within your business objectives and operational

capacity. Many times, the marketing team develops the web store with no consideration for the business process. It is, after all, marketing and sales, isn’t it? We frequently get a call after the web store is developed. The caller (either the web developer or the person in charge of the web store) wants to integrate the orders into Microsoft Dynamics NAV. Typically, the web developer has told them how easy it is to integrate shopping carts into an ERP system. Generally, “easy” is easy to say but can be difficult to do. Integration is easy if everyone is on the same page, but the devil is in the details. Websites and stores tend to be Tinker Toys with any outcome possible, given enough time, money, and talent. ERP systems are written and used by tens of thousands of businesses and have strict reporting guidelines. The meshing of the two can be challenging, but not as challenging as mixing your web orders into your traditional orders. The new operational mix can be seriously challenging.

Customer Expectations Change Many times e-commerce success results in unintended consequences. For example, if you are an industrial products supplier, you may be familiar with the pallet or case level requirements of your customers. You have prearranged terms, freight, delivery schedules, and order processing. Your typical sale may be multiple pallets of cases with a week lead time for delivery with a price of multiple thousands of dollars. With a successful web store, your typical sale may be for one or two eaches of several products with a sale price of less than $100. Sure, your margin percentage is much higher, but so are your costs. Consider that it will take the same or more time to pick eaches of two products than to pick one pallet of two products. Your material handling equipment is different. Your shipping will be parcel rather than LTL (less than truckload) or delivery. The customer’s expectations are different, too. Web customers expect quick turnaround, perhaps next day or two-day delivery, and are expecting the picking to occur today, not on your normal order turnaround.

Warehouse Requirements Do you have enough warehouse space to deal with the changes in order fulfillment? Perhaps you only sell case lots to your regular customers. If your web store sells eaches, you will have to have product in two different type pick-faces. You will have to institute a break-bulk, replenishment system for the eaches. Do you have the warehouse staff and equipment to handle higher transaction volume and still maintain the customer service level your traditional customers require? Can they handle the higher expectations of the web customer?

Accounts Receivable You are used to customers paying invoices within terms by ACH, check, or credit card. Now, you will be accepting credit cards for much smaller transactions. Depending on your credit card set up (remember PCI compliance), you may have an issue when a web customer returns product and you have to issue a credit for the return. How will you issue the credit if the credit card information is separate from your Microsoft Dynamics NAV system?

Customer Service You are used to working with customers who know your products and will have technical questions related to commercial or industrial use. Are you prepared to answer phone, email, or chat questions from hobbyists and do-it-yourself homeowners? Do you have the necessary sta? Does your sta have the technical skill, time, patience, and attention to deal with chat and email responses? Web buyers tend to be impatient and have no loyalty to keep them waiting for answers. Are you prepared for the legal liability or reputation damage from improper use of your product? There are a myriad of technical and budgetary issues.

Integration and Control Okay, you have thought about all the operation issues. What about integrating your web store into Microsoft Dynamics NAV (it’s easy, remember?). Most web developers consider their web store to be the business driver. What they haven’t discussed in the sales process is which product is the master and which is the subsidiary. Of course, their thought is that the web store is the master. I am certain your CFO, warehouse sta, and others will have a dierent opinion. This is the start of some diďŹƒcult issues and questions that you should answer before you negotiate the web store contract. There are integrated shopping carts already working with Microsoft Dynamics NAV that can minimize the questions and issues you have to resolve. Some work with popular shopping carts like Magento or Bigcommerce; others have proprietary shopping carts. Some oer ties to Amazon and eBay. These range in price from relatively inexpensive to pricy – but of course pricy is a relative term. Look at the pre-integrated web stores available for Microsoft Dynamics NAV to minimize risk, expand capacity, and reduce operational costs. PERSPECTIVES FROM THE EYES OF A NEWBIE

eb Haneke, financial advisor at ESSDACK, a non-profit educational service center, attended Summit in St. Louis for the first time in October and had very interesting perspectives along the way. She posted a great blog on www.navug.com, and we are reprinting it below. Enjoy!

PRE-SUMMIT PERSPECTIVE I must admit that I was a bit apprehensive about what to expect. Even as I registered, I had some self-doubts about whether I even knew enough about Microsoft Dynamics NAV to fully participate and engage in a meaningful learning experience. (We implemented Microsoft Dynamics NAV 2013 in January of 2014.) I was concerned that our business might be so unique that the sessions wouldn’t be applicable. (We are a non-profit, fund-based, cash-basis

entity.) I pondered the cost/benefit ratio of travel expenses, registration costs, and last but not least, time out of the office and away from home and family with what I might reasonably expect to gain.

POST-SUMMIT PERSPECTIVE First of all, I have to say, when I committed to attend, I went for broke. Not only did I register for Summit, but I also registered for one of the Pre-Summit sessions. Believe me, this wasn’t without a great deal of consideration. First of all, the session which held the greatest interest for me was on Monday, and that meant I’d have a full day between it and the start of Summit. Secondly, this extended the time I would be away from the office, and, of course, there would be additional costs involved. My Pre-Summit session was Kerry Rosvold’s “Account

I left class with a conceptual understanding that will allow me to move forward as I imagine and build the reports to serve our organizational needs, as well as some amazingly simple but powerful tips and tricks. Finding myself with an open day before Summit kicked off turned out to be a real gift. I spent the better part of the day on Tuesday holed up in my room, implementing what I learned on Monday. I not only improved some of the account schedules I “inherited,” but I also tried my hand at creating some new ones. And then it began. My full Summit experience. » The session topics were robust and offered options for learners of all levels from a variety of perspectives.

I am leaving Summit with new knowledge and an expanded vision of possibilities. I have a new “Rolodex” of solution providers, some of which are for options I didn’t even know existed. While I don’t have a stack of business cards from persons I met, I do have contact information from a select few, and I know our interactions will be mutually beneficial. NAVUG: What are the biggest pains your customers experience in terms of compliance? LP: Microsoft Dynamics NAV has a change log that’s bulky, cumbersome, and difficult to set up. And once it is finally set up, it’s difficult to get the information out. Our tools, such as our Audit Trail product, are much more intuitive to set up and configure. We offer out-of-the-box reporting, and we can track not only changes in Microsoft Dynamics NAV, but also from external sources (SQL). It’s very simple to get information out of the system once you have it all set up. NAVUG: Tell us a little more about how Fastpath specifically helps Microsoft Dynamics NAV Users get compliant and stay compliant? LP: The segregation of duties analysis that we offer helps Users with SOX, HIPAA, JSOX – really anyone who falls under compliance regulations. We also offer out-of-the-box reporting so clients can come up with a strong strategy to achieve continuous compliance. All reports generated from our software are real-time, so organizations can always see where they stand in terms of security and compliance. And we also help Users understand all changes made to the system from a User or data standpoint that create accurate audit trails that Users can trust. NAVUG: What do Microsoft Dynamics NAV customers like most about Fastpath and your products? LP: We have a very small footprint as far as installation and implementation go. We can measure that in hours and days instead of weeks and months. Users can be up and running with visibility right away. There’s not a ton of configuration; it’s basically a plug and play with a ton of out-of-the-box reporting to benefit from. They also love the audit trail piece that allows

them to track anything and everything in their organization. It doesn’t just track changes within Microsoft Dynamics NAV; it can track from any origination data source, which gives Users a lot of visibility as far as who has access to the data, who is making changes, and why. NAVUG: What type of presence do you plan to have at Convergence 2015? LP: We always look to improve from receiving customer feedback, and Convergence is a great place to do that. We’re also holding a few educational sessions, moderating security sessions, and hosting GRC (Governance, Risk, and Compliance) Day on Friday, March 20 from 8:30 a.m. to 2:30 p.m., GRC Day is a product agnostic event for Users who want to learn more about security and compliance. LP: It’s critical to have a complete understanding of your organizational risk profile to answer what kind of risks you can handle, where those risk areas are, and where the Users in the organization play a role in those risks. With this information, you likely won’t spend a ton of time around a low-risk area while ignoring a high-risk area that’s placing your company in immediate harm. Another important factor is to assign ownership to someone in the company to analyze and understand what people should or shouldn’t be doing or changing in your software. Companies run so lean so it can be really difficult to segregate duties. Save Now, Save Often Before you enter that ďŹ rst character in that ďŹ rst cell in that ďŹ rst worksheet, save your new workbook. There’s nothing worse, as I’m sure most of you know, than working on a new spreadsheet for an hour and then losing all of your work. And to play it safe, especially when you’re working on something important, back it up often. A crazy-easy way to do this is to email a copy of the ďŹ le to yourself. Simply select File > Share > Email > Send as attachment. Another great tip: Before you embark upon 15 minutes of complicated formula work that may “hose upâ€? your spreadsheet, save it. Ten minutes in, when your new edits aren’t working, you won’t have to select Undo 43 times; just close the ďŹ le, don’t save, and re-open your good copy.

Copying a Worksheet You’re doing budgeting, and you have a template you don’t want to mess up. Easy! Right-click on the tab at the bottom, select Move or Copy, check the checkbox for Create a Copy, and then choose as another worksheet in your current workbook, a worksheet in another workbook, or as a new workbook.

1. In the table above, you want to restrict the next record entry for CustomerID to be only from the existing list of IDs. Set up a list of these IDs far below the current row, on another worksheet, or even another workbook. 2. Select the cell to be supported (B5), then on the ribbon, select Data > Data Validation > Data Validation. 3. Under the Allow drop-down list, select “Listâ€?, and for Source, select the range of cells containing your approved list, then select OK. 4. You will now see a drop-down arrow present when you are in the cell with validation turned on. Select the arrow to see and choose the correct CustomerID (shown below). Forecasts and Trendlines Want Excel to do your forecasting for you? 1. With a table like below, add the years for which you want to forecast (I append an “e� to the year to indicate “estimated�).

2. Select your existing data (highlighted in gray), grab your crosshairs that appear at the lower right of the selection, and drag across to the empty cells. 3. Excel projects future sales using a linear forecast. You can chart this, too, and then add the trendline – right-click a line on the graph, and select Add Trendline (shown below; we now have the trendline for the Quebec region). Note that dierent models are available for calculating trendlines – Exponential, Logarithmic, Polynomial, etc. – to match your data.

We’re glad to shine a spotlight on Mark Brummel, new NAVUG Board of Directors member, author, Microsoft MVP, and veteran session presenter for NAVUG and Microsoft. Who interests you in social media right now? In my desktop background, LinkedIn and Twitter are active the entire day as I use them to see what’s going on in the Microsoft Dynamics NAV community. I am getting close to 2,000 connections on LinkedIn and have 650 followers on Twitter. I don’t follow a lot of people myself, as I use social media to promote my books, blog articles, and videos, as well as write Pulse articles for LinkedIn. My wife takes care of Facebook for our personal friends and family; she is the real social face of us. :-) On my desk right now is… The Sonos app. I just acquired a number of their systems for our house. I think the technology is awesome, being able to listen to music and decide to either listen to the same music throughout the house or just on your own device.

My top three goals for 2015 are… The primary goal for 2015 is to have the design patterns project adopted by the training ecosystem for Microsoft Dynamics NAV. Design patterns are common solutions and best practices to solve problems. In a joint project between Microsoft and the Microsoft Dynamics NAV community, we have documented more than 25 of the most common design patterns in the product, both on a wiki and “How Do I” videos. This year I want to train MCTs on these workshops (as well as develop an e-learning option) and create a wide adoption in our community. Software architecture in Microsoft Dynamics NAV has always been my passion. I wrote two books and hundreds of blog articles on the topic. The second goal is upgrading two of my most tenured Customers to Microsoft Dynamics NAV 2015. They have used the product for 10 to 15 years, and one of them uses Navision 2.60. Think of your most customized system and multiply that. The relationship with most of my Customers goes back a long time, and loyalty is an important value for me. Goal number three is helping external vendors improve their interface for Microsoft Dynamics NAV. These vendors often don’t have internal Microsoft Dynamics NAV resources, and they look for advice designing interfaces that are stable with minimum impact to the product. At the moment, I am helping a handful of them, and, together with Microsoft, I am always looking at new technology to make these interfaces easier. What I do when I’m not at work… Well, I have four kids aged between 4 and 10. Do I need to say more? :-) I try to spend as much time with them as I can. More

than half of the time I work from home, and I bring them to school and put them to bed each day, with everything in between. We live in a big house that is 200 years old and has a large garden. I do a lot of painting, carpeting, and gardening. Another part of my social life is strongly connected to the Microsoft Dynamics NAV community. When other MVPs or colleagues are in The Netherlands, they stay with us. Traveling to Directions EMEA always goes via Olst in The Netherlands. I’ve met many, many people in my last 10 years as an MVP that I consider to be close friends. The best advice I ever received… After I received my MVP award in April 2006, I received my first event invite from Microsoft. It was for TechEd in Boston, Massachusetts. The offer was to help out on the event in exchange for a free access pass, but travel expenses and time were not covered. My father convinced me that I should do it. It was my first visit to the States. Without that advice, my life for the last 10 years would have been completely different. As it turned out, Microsoft had chosen this event to first show what we now know as the Windows Client and was then introduced as the Roletailored client. I learned a lot about the new technology and the background during that event. It was the start of my relationship with Microsoft, and many other events followed. I also met David and Karen Studebaker at that first event, who were the owners of Liberty Grove Software at the time. They invited me back to the U.S. for Directions, and we started working together soon after that.

What is my Profile? The Profile section of NAVUG.com is a central place on the site for all your information. It also includes biographical information that you’ve chosen to include, such as education background, social networks, and professional experience. You are the only one who can update your profile and you control the privacy settings for who sees the information.

Updating your information is an important aspect of being part of the Microsoft Dynamics NAV community. In this area you control: » Mailing Address » Billing Address » Areas of Interest » Change Your Password » Join Another User Group » Renew Your Existing Membership You can also add your primary role and job title. It’s a great way to build your contacts and expand your network.

Does the Profile section list events I am registered for as well as events I have attended?

Are there privacy settings?

Yes, the amount of information shared is controlled by each User. You can choose to only share information with contacts you have made, with other Members, make it open to the public, or choose the setting that only you can see. These setting choices apply to each piece of information you have included. To access your privacy settings: » Sign into the www.navug.com site » Click on Profile from the drop-down arrow in the top right (next to the photo area) » Scroll down the page and click on My Settings >> Privacy Settings

Yes, it includes your entire registration history with NAVUG. You can view upcoming events you are registered for and access a list of past events. A

uditing transactions in Microsoft Dynamics NAV is not something that should be taken lightly. There can be significant business and system performance ramifications for making a wrong choice. Many things should be taken into consideration when setting up audit trails. Whether you are using something that comes out of the box (such as Change Log for Microsoft Dynamics NAV), or you purchase software from a third-party vendor, be sure to consider these important topics: » Audit only what is necessary. One of the keys to the successful use of auditing software is setting it up correctly. Common fraud and control points are well-known by auditors and provide an easy starting point for setup. For example, vendor setup is typically audited to provide some prevention for false vendor creation. Similarly, vendor address changes are normally audited to help prevent the fraudulent redirection of legitimate payments. Although vendor data is a common control point, there are certain vendor fields, like FAX number, that are likely not critical and may not need to be tracked. Be specific as every field that is tracked has an impact on system performance and the amount of data that needs to be stored. » Involve the business process owners (BPOs). So many times IT departments set up the audit trail tool that your company has chosen without taking into consideration what information the BPOs need to review. While the BPOs might not even use Microsoft Dynamics NAV in their daily jobs, they will be the ones reviewing the reports. So make sure your IT team is communicating with your BPOs during the setup process. » Performance. If you incorrectly set up audit trail software, it can hurt the system performance. Often we hear people say, “I just want to track everything.” All audit trail software creates data, and recording information is, of course, the purpose of audit trail software. The problem comes when companies overzealously try to audit everything, bringing the accounting system to a crawl. This is why we suggest auditing only what is necessary. » Report and Review. What good is an audit trail solution if you never review the reports? By following the first three tips, you will know you are getting the information you are looking for, but be sure to continually review, follow up, and sign off on the resulting reports on a consistent basis. This will not only help you quickly identify anomalies, but it will also help come audit time. » Data Maintenance. Audit trails create data, and that data needs to be stored and maintained. Make sure you develop a retention policy for your audit trail data. And remember that not all data will fall under the same retention policy. How long do we need to keep vendor changes? Customer changes? Payroll changes? One month? One year? Seven years? Once you have defined your retention policy, develop a plan to archive and purge your audit data based on your policy.
