But What Do You Do?

t has been challenging to explain to my family what I do for a living. For the past 15 years, those closest to me haven’t really understood software, Microsoft, or specifically, the acronym “CRM”. In particular, my nuclear family – a proud, loving, and at times stubborn farm family from southeast North Dakota – has not really known what I do on a day-to-day basis. However, the glory that lies within CRM is slowly but surely starting to sink in because they, too, are becoming exposed to the power of software automation and technology. The analogy is clear and simple to convey because technology and software are doing so much more now than even the prowess of how auto-steer made waves in the last agricultural decade. Actual business process management is happening in the agricultural industry. Automation across agronomy, seeding, fertilizing, herbicide application, baling, and harvesting is happening with software and technology that not only takes some of the mundane and manual processes out of farming, but also increases yields while optimizing the natural resources at hand. In addition, business intelligence is now at a farmer’s fingertips with automated crop reporting to better understand and apply more informed business decisions on next year’s planting or harvest seasons. In short, my dad may start comprehending what it means when people in my industry say BPM or business process management. A fitting theme for this spring edition of CRMUG® Magazine, especially for those of you that are looking to leverage some of the new capabilities that were recently rolled out with Microsoft Dynamics CRM 2013, such as actions and business process flows. These capabilities are re-engineering the way we think in how we manage our Customers, automate the mundane, and bring better adoption and cross-group visibility for all. As a User ourselves, we plan to roll out Microsoft Dynamics CRM 2013 in mid-2014, and we are certainly looking forward to how this new version will bring value to the entire organization and most importantly, to our Members. It is interesting for me to think that it isn’t just a change of oil or greasing up the bearings of the tractor that will prepare my father for the upcoming planting season. He also needs to put on the analyst and IT hat while studying up on his automated crop reports, ensuring his in-cab software measures and reads accordingly to the planter or applicator. When I bring this up, he’ll quip, “This is why your younger brother is farming with me; he can be the farm nerd”. Obviously teaching old dogs new tricks isn’t just a User adoption challenge in the CRM industry. I hope you are looking forward to all the great things happening in CRMUG. We have a whole host of upcoming virtual events and local Regional Chapter events, plus we’ll be preparing for the marquee event of 2014, CRMUG Summit in St. Louis, Missouri in October. On the Grow: Regional Chapter Meetings

Off to a Great Start in the Dakotas

On January 15, the CRMUG® Dakotas Chapter had its inaugural meeting at the Microsoft campus in Fargo, North Dakota. Bryan Erstad, CRMUG membership manager at Dynamic Communities, kicked off the gathering with the history of CRMUG as well as potential leadership opportunities. Corey Hanson, Partner technical consultant at Microsoft, then detailed the 17 coolest features in Microsoft Dynamics CRM 2013. Next, Tony Stein, program director at CRMUG, gave a Member showcase of our parent company, Dynamic Communities, and how it uses Microsoft Dynamics CRM as an event and membership platform. To close the meeting out, Andrea Lange, Microsoft Dynamics CRM consultant from Summit Group Software, detailed the use of Microsoft Dynamics CRM reports via three types of examples. In all, about 25 individuals from eight different companies across the Dakotas attended the first meeting. We look forward to the upcoming meeting on April 23, when weather will be less (hopefully!) of a concern. CRMUG

In this age of omni-connectedness thanks to social media, there is something to be said about old-school, small, intimate meetings with like-minded individuals. Don’t get me wrong. There is much to be gained by engaging online social communities, but when it really comes down to sharing and learning, there is nothing as efficient as meeting face to face in a small gathering. Why? As Seth Godin puts it, “Learning together serves a crucial function... it makes learning happen.” Needless to say, I am a believer, yet the vibrancy of the CRMUG® Regional Chapter meetings never ceases to amaze me! In just a span of two years, the Regional Chapters have doubled in memberships and locations. Collaboration is the name of the game when it comes to User groups. A winning collaboration is one where not only the Users discuss, share, and learn among each other, allowing Microsoft and our MVPs to chime in when necessary, but also provide valuable feedback regarding their needs and expectations from the ecosystem supporting them. This steady stream of invaluable feedback to Microsoft Partners and product teams has shaped not only our product, but also how we deliver the product experience to our Customers. I would like to thank every one of our CRMUG Members for their participation in the community. f there’s a theme that connects Zara Kamruddin’s personal philosophy with her job description at CLEAResult, it’s to not shy away from situations that many may find uncomfortable or overwhelming – or both – but rather to charge toward their very center. In a previous job, she taught herself Microsoft Dynamics CRM because she thought it would help the sales team better track commissions. It did. Since then she’s worked with the technology at three other companies, a fact that caught the attention of CRMUG, which asked her to serve on a panel and lead roundtable discussions at this year’s Convergence. She’s nervous, but she also feels engaged. “I’m honored to be invited,” she says. It would be equally nerve-wracking for many to work in the midst of such an extensive and diversified deployment of Microsoft Dynamics CRM. Zara, however, describes her job – and her life in Austin, Texas – with one decidedly nonnervous word: “Perfect.”

An Incredibly Customized Solution for a Complex Operation The composition of CLEAResult, an energy efficiency consulting company, is as complex as

the energy industry itself. It’s divided by segment – commercial, residential, industrial, institutional, and agricultural – and within each segment CLEAResult works with clients on a wide range of activities and initiatives with the goal of making energy consumption more efficient. CLEAResult offers some clients strategic counsel on how to best implement best practices in their geographic area; for others, it provides marketing support, energy assessments, benchmarking, and audits. The company currently has 1,200 employees who work in 30 states plus Canada, adhering, in each location, to slightly different rules and regulations. Microsoft Dynamics CRM was chosen before Zara joined the company in mid-2013 and is referred to throughout CLEAResult as Pulse. “They wanted it to be the heartbeat of the company,” Zara explains. “Because we’ve acquired several companies, it was important to have all program data in CRM for the purpose of seamless tracking capabilities, project management, and transparency into everything. Our goal is to have as many program teams as possible tracking their progress in Pulse by the end of 2014.” (Pulse was a finalist for the Microsoft Technology Innovation award last year.)


In addition to general support, Zara’s focus is configurations and customizations. “The solution is incredibly customized,” she says. “There’s a very diverse range of things that we track within the system. We track how much our clients save by participating in our programs. This requires us to track things such as kilowatts, therms, water usage, and customer satisfaction scores. In every energy efficiency program, we can securely show what a client’s target for energy savings is and show how they’re tracking against our contractual goal.” Zara says the benefits delivered by Pulse are considerable. End Users have access to real-time performance data, which is the heart and soul of CLEAResult. “Our program managers access that on their dashboards,” Zara says. Microsoft Dynamics CRM also played a major role in streamlining and automation of payment processing. “Our Incentive Processing Center (IPC) cuts rebate checks to participants in energy efficiency incentives,” Zara says. “The processing and payment are centralized in Pulse, which has made the entire operation dramatically more efficient. Before, we didn’t have a central processing function. Now we have a system with the flexibility needed for all of our programs to use it.” Zara says that Microsoft Dynamics CRM’s mobile adaptability is also important. “We have custom mobile frameworks that can be used on mobile devices when energy auditors are visiting clients,” she says. “We have a whole team working on integrating mobile field tools directly into Pulse.”

A Good Creative Outlet Currently, Zara estimates that about 60 percent of the company uses Pulse. The goal for 2014 is to have 100 percent of the programs in the company using the system. “We have a huge adoption campaign underway this year,” she says. “We’re pushing Pulse integration and standardization company-wide, starting with our Pulse 101 class. From there we go into how it’s used.” Zara is anticipating an unusually busy period, CRM-wise: In addition to the adoption campaign, she’s planning to upgrade to Microsoft Dynamics CRM 2013 in 2015. To ensure she and others have access to even more resources – including encouragement – CLEAResult recently upgraded its CRMUG membership to the Premium level. Zara’s involvement with the group – like her use of the solution – predates her current position. “It’s a good creative outlet,” she says. “The two cents you can get from people who live in the CRM world are invaluable. It’s good to work with like-minded individuals, and it’s also good to be able to easily find resolutions to problems.” Zara says her favorite part of CRMUG is the Collaborate site. But she’s also a fan of in-person events such as Convergence, and of webinars such as “CRM Governance” and “Your Role as the Quarterback”, which she’ll be taking soon. “That’s exactly what I need to learn about,” she says. icrosoft Dynamics CRM has developed a well-deserved reputation as a customization platform, and the most recent upgrade makes it easier than ever for non-technical Users to perform customizations and model their organization’s business processes. In this article we will review three of the most important new techniques: business process flows, business rules, and real-time workflows.

Business Process Flows Business process flows provide a visualization of your business processes by placing special controls at the top of an entity form. A business process flow guides a User through successive stages of a process, with each stage containing one or more steps. As you can see from the following figure, a process flow is not only visually obvious, but it is also actually pretty hard to miss:

One thing that is not obvious in the figure is that process flows can span different record types. For example, the one you see here, available out-of-the-box in Microsoft Dynamics CRM 2013, proceeds seamlessly from a lead to an opportunity record when a User advances past the Qualify stage. This processcentric experience is dramatically different from the traditional form-centric one, and it is one of the most important characteristics of business process flows. Here are some others:

» Fields can be required at a specific stage within a process. For example, in the previous figure, the Revenue field is required when a User reaches the Develop stage of the sales process. This kind of field requirement acts as a stage gate: a User cannot advance the process stage until a value is provided. » Like everything else discussed in this article, the no-code design experience is accessible to business Users. The following figure illustrates the business process flow designer, opened to edit the sales process shown previously:

» The default security roles in Microsoft Dynamics CRM 2013 reflect the intention that the designing of business process flows should be pushed out to business Users. For example, the sales manager role has all the security privileges required to create and activate business process flows. » Business process flows do not themselves support conditional branching or other kinds of business logic. But they can trigger automatic workflow processes when a User advances from one stage of a process flow to the next. » Multiple process flows can be made available for a single record type, and if they are, Users can switch between them. For example, one process might be intended for large or complex deals, and a different one for small or simple opportunities.

Real-Time Workflows Business Rules Microsoft Dynamics CRM 2013 business rules allow you to create a dynamic, responsive form experience for end Users: a business rule can make something happen on a Microsoft Dynamics CRM form in response to a User’s interaction with form fields. Based on one or more conditions, the following actions can be performed by business rules: » Show an error message » Set field values » Show or hide fields » Set field requirements » Lock or unlock fields Suppose your marketing department wants to track the return on investment (ROI) for marketing campaigns. Several custom fields have been added to the campaign entity and are displayed in a section on the campaign form. Then suppose marketing decides that ROI is only required for some campaigns, and if it’s not required, the fields should not be displayed. Something like this is low-hanging fruit for a

Microsoft Dynamics CRM 2011 had one kind of workflow process, which we referred to as “asynchronous”. Now in Microsoft Dynamics CRM, we have a choice between two kinds of workflow processes: background processes are the same as asynchronous; real-time workflows are brand new. You can specify which kind you want when you create a new workflow; you can also switch between the real-time and background options for existing workflows. If you’re familiar with the workflow designer from previous versions, it will look pretty familiar in Microsoft Dynamics CRM 2013. As far as what a workflow process can do – in terms of the actions you can select in the step editor – there isn’t much difference. But this superficial similarity masks the fundamental importance of real-time workflows, which in my view may be the single most important new feature. Here are four reasons they’re so important: » Users see results in real time. The results of a background (i.e., asynchronous) workflow usually take 15 to 30 seconds to show up. This lag makes them unsuitable for situations when a responsive User experience is called for. Background Spring 2014 | 17


workflows are great for automatic processes that don’t have a User experience, such as an auto-responder or a notification email. But if a User needs to see an immediate response, such as a calculated field on a form, a real-time workflow can make that happen. » All actions in a real-time workflow are part of a single transaction, so they can all be rolled back together. Suppose a case resolution process, starts by sending a resolution email to a Customer, then later in the process the User encounters an error that prevents the case from being resolved. If that’s a real-time process, it can be rolled back, and the Customer never gets the email. But if it’s a background process, it’s too late: by the time the error condition occurs, the email has already been sent. This opens up a brand-new category of workflow process in Microsoft Dynamics CRM 2013 in which we can apply conditional logic to User attempts to delete records or to change field values or status, and if appropriate, display an error message and roll everything back. I covered an example of this kind of process in a recent article, “Conditional Field Requirements with Business Rules and Real-Time Workflows” (www.magenium. com/Techblog/2014/January/Field-Requirements.aspx). » Each instance in a series of consecutive processes is fully completed before the next instance is started. There’s a certain type of business logic that depends on this, in which one instance of a process updates a piece of data that is required by the next instance of the process. One example is using a workflow for auto-numbering, explained in a recent article by Jukka Niiranen, “Auto-Numbering with CRM Workflows: Real-Time vs. Asynchronous” (http://niiranen. eu/crm/2013/12/auto-numbering-workflows-real-time-vsasynchronous/). Another is round-robin record assignment, to which I applied real-time workflow treatment in this article: “Round-Robin Workflows Real-Time vs Background” (www. magenium.com/Techblog/2014/January/Round-Robin.aspx#. Uuse4LCA3nI). Trying to implement processes like these in Microsoft Dynamics CRM 2011 was a frustrating experience, because although the construction of our workflow processes was correct, the asynchronous tool we had wasn’t quite right for time-dependent (i.e., synchronous) jobs like these. » Real-time workflows triggered by record status changes, record is assigned, and fields change have before and after options. Unlike real-time workflows, background workflows always run after the triggering events, so the workflow engine only has access to the state of a record after something happened. When would you need to know about the before state of a record? Suppose you need to calculate a running total of actual revenue from opportunities to store in an aggregate field on account or source campaign records. With a background workflow, you can increment the running total when an opportunity closes, with a workflow triggered after the Actual Revenue field changes. But if a closed opportunity is re-opened, you can’t decrement the running total when an opportunity is re-opened, because the Actual Revenue field is already set to null, and you don’t know what it was before.

Summing Up I’m already over the 1,200 word guidance provided by the good folks at CRMUG®, so I’ll sum up as pithily as possible. Business process flows are to Microsoft Dynamics CRM 2013 what dialog processes were to Microsoft Dynamics CRM 2011: an entirely new construct, not comparable to anything available in previous versions. I can’t remember clients clamoring for the functionality, but I’m glad the product team added it; they’ve staked a claim to business process leadership, and I encourage you to explore how your organization can take advantage of business process flows. Business rules are comparable to something we already had: functionally, business rules behave exactly like JavaScript; they are triggered by changes made by a User to form fields, and by form load events. Business rules have several limitations compared to JavaScript and are not intended as a replacement for form script. Here are some of the most important: » Limited conditional logic: within a single rule, all conditions are And conditions. (In the example above, that’s why we needed two business rules rather than one.) » Actions can only be performed against fields; sections and other form components cannot be controlled with business rules. » The formula editor contained in the business rule designer is somewhat limiting. For example, only one operation can be performed on a single line, so complex formulas can be difficult to implement. Another one goes into my pet peeves category: similar to the workflow designer, you cannot perform date math in a formula. So while you could subtract cost from revenue to populate a margin field, you could not subtract a record’s created on field from the process execution time to calculate a record’s age. » You can only access fields on the current record. Real-time workflows are also comparable to plug-ins, a code-required technique previously available: they run synchronously rather than being queued up for later execution, and they can be run either before or after the core operation, as we discussed above. The way I think of it, the event model of real-time workflows is very similar to plug-ins; where they fall short is in the actions they can perform. For example, plug-ins can query data, perform arbitrarily complex calculations, and create records for almost any CRM entity, but real-time workflows are still limited by the actions available in the workflow designer. Microsoft Dynamics CRM 2013 introduces a wealth of new features, and in this article I wanted to familiarize you with three of the most important. Business process flows are a brand-new construct, intended specifically as a visual container for the stages and steps of business processes. They don’t support conditional logic and don’t perform actions, but that’s the wheelhouse of the other two features we reviewed – business rules and real-time workflows. While each of these tools is intended for specific purposes, the more you use them, the more you will appreciate how complementary they are. s a network, the Young Presidents’ Organization, or YPO, is among the world’s most powerful. The main purpose of the nonprofit entity is to connect some 21,000 chief executives who lead companies that collectively generate $6 trillion and employ 15 million people in more than 125 countries. Ty East joined YPO two years ago at the organization’s headquarters in Irving, Texas as a CRM technical developer, bringing with him experience working with Microsoft Dynamics CRM, which YPO had recently deployed when he was hired. “There are lots of leadership associations,” Ty says, “but YPO only lets the top person in.” Indeed, one of the many fairly stringent qualifications for membership is that the person be a CEO, a founder, or a president. There are many benefits to the “presidents only” membership policy. “It provides a safe haven for CEOs,” Ty says. “Our members are dealing only with their peers – leaders of other companies. They’re not distracted by someone trying to sell something.” Being in the top position is only one of the qualifications for membership. Other requirements draw on an organization’s size, scope, and compensation. For example, a company must either have at least 50 regular employees or have as few as 15 provided that the collective annual compensation of those 15 employees is at least $2 million. If a company is in sales, services, or manufacturing, annual sales must be at least $12 million; businesses organized as agencies must have annual fees and commissions of at least $9 million. As for the word “young,” the number 45 has lost a bit of its former sting. “It used to be that when you turned 45, you were thanked for your membership and were no longer part of the organization,” Ty says. But then the World Presidents’ Organization – referred to as the next chapter – was formed. When YPO members turn 50, they transition into the WPO. The focus on youth goes back to the organization’s founding in 1950, when a young man discovered he needed counsel on running the family business he’d just inherited. “One of the reasons the focus has stayed on that age range is that typically people who come into CEO roles at that point in their careers face challenges that are different from CEOs of larger companies who have typically learned the ropes as they worked their way up,” Ty says.


International Footprint, Local Value Ty says that YPO’s real value shines through not at the headquarters in Texas but at each of the 400 chapters located around the world, on every continent except Antarctica. Many of the chapters have additional, and in many cases more rigorous, requirements for membership. Chapters, which are their own legal entities and typically employ an administrator, range in size from 16 to 400 members. Similar to a Microsoft Dynamics CRM User group, each chapter has officers who usually serve a term of one year to guide the chapter. Once a CEO is accepted into a chapter as a member, he or she then becomes a member of a forum, which are smaller, more intimate groups of members where conversations are governed by the strictest codes of confidentiality. Many YPO offerings aren’t surprising. There is an annual global leadership conference, continuing education opportunities, and a wide range of online learning and networking activities. Then there’s what Ty calls the “family side of things,” which provides CEOs, their spouses, and their children with unique – or at the very least unusual – bonding activities. “These include family trips to Disneyland or backpacking adventures in South America,” Ty says. “We strive to create and offer ‘only in YPO’ events.”

Sharing CRM Experience and Insight With more than 21,000 members from around the world, keeping records organized is no small task. A little more than four years ago, YPO deployed Microsoft Dynamics CRM, which keeps members’ information (including renewals and member demographics) organized and up to date. The sales functionality handles new member development; the marketing side of Microsoft Dynamics CRM, Ty says, is currently used lightly, mostly for segmenting members. The services component is used to manage support issues members occasionally encounter within the YPO portal, which Ty describes as similar to a LinkedIn profile for both individuals and chapters. Ty, no stranger to the value of peer-to-peer networking, makes sure YPO gets the most value out of Microsoft Dynamics CRM by not only participating in User group activities, but also by chairing the Dallas area Chapter of CRMUG. In fact, his membership in the organization predates his position with YPO. “The Chapter quieted down a bit, but we’re getting it geared up again,” he reports. Meetings have gone from quarterly to the second Wednesday of each month, and attendance is up to 18 to 20 Members per meeting. “It’s great to see a new product and how it’s used,” Ty says, “but the best thing is being able to go up to someone and say, ‘hey, we’re doing something new’, tell them how we’re doing it, and then ask if they see any potential problems. The people who attend our meetings are always willing to tell you what problems they think you might run into. That’s how they share their experience, and it is extremely valuable.” CRMUG

Automation Using Fields in the Process Bar Business rules you create will be applied to fields regardless if they are on the body of the form or in the process bar at the top of the page. JavaScript can also be applied to fields in the process bar, but in order to make this possible, you will also need to include the field in the body of the form. Create your JavaScript events like you normally would, and they will get applied to the corresponding fields used in the process. If you don’t want the field displayed on the form twice, go ahead and hide the one in the body.

Import Directly into a Business Process You can import records into a specific business process and stage with a little effort. Before you can do this, you’ll need to find the unique identifier for each. The easiest way is to create an advanced find of existing records in the same process/stage that includes the “Process” and “Process Stage” fields. Once you’ve got the values, you can use them in your import file. CRMUG

Control Which Business Process Gets Loaded by Default Use a combination of the order your processes are displayed in along with security roles to determine which business process gets used by default on new records. Order your process so that ones with specific security role requirements are at the top. If a User doesn’t have one of the required security roles, the next form in line will then be evaluated.

If you don’t use business processes on an entity, you can remove the entire process bar by deactivating any processes that include it.

Best Way to View Emails for Cases

Static Data Deployment

12 Replies Hello, I am trying to find a simple way to view emails under a case. We are using the Outlook CRM add-in and have many emails that get related to cases using the “set regarding” feature. The closed activities view under cases is not very helpful. Basically I’d like to see a view of emails for a case that looks like Outlook. I went to customize a view but was not able to link the activities entity and email entity (which contains the key fields I want to see). When I created a view using the email entity, it didn’t show as an option for view activities. Can someone suggest how I approach this? 12 Replies I am new to Microsoft Dynamics CRM, and I am in the process of creating/implementing our first CRM-based system. I have done quite a bit of customization on the dev server, and I am ready to move these to a test server for testing and training. Eventually, of course, I will deploy to a production server. I understand that I can “package” my customizations into one or more solutions and then import them into the other servers. However, there are some custom entities that have very static data in them and the GUIDs for the data need to be constant across all the systems. The data represents Departments, Practice Groups, and Matter Types (we’re a law firm). These are static items but had to be put into entities rather than option sets since they are interrelated. I remember from either Summit 2013 or Convergence 2013 a seminar or discussion where someone metioned a tool/method for moving static data between systems. I’ve looked through all my resources from both conventions but can’t find anything on that in my materials. Can someone point me to a good resource/solution for this? HOW TO: Sequester Data Using Team Ownership 12 Replies The “HOW TO” portion of the title to this discussion is not only a factual representation of the intent, but also a statement of hope that I can get this to work. Adam Vero of Meteor IT Ltd in the UK has been assisting me, via this community, in an effort to get this working. After my lack of success trying to get this to work in our currentlyloaded dev system, I decided to wipe the data from that system and start this design from scratch. Adam has graciously agreed to help me step through the setup of this feature, and we will post the steps and progress here on this discussion for all to benefit. The Scenario I have been working on a solution to a feature-need that we have in our law firm. That is the need to “hide” some data in order to build what we call “Ethical Walls” to avoid conflict of interest and even HIPAA problems. Basically, certain ClientInfo (custom entity) records and their child Matter (custom entity) records would be “owned” by a team specifically created to own those records. Only Users who are members of that team would be able to see those “team-owned” records while the remaining population of Users would not.

TOP COLLABORATE DISCUSSIONS Orange Spot Icon Appearing in Contacts Default Public View with Microsoft Dynamics CRM 4.0 11 Replies Hi Microsoft Dynamics CRM brain trust! One of our Users is encountering an odd phenomenon, and I’m hoping someone may be able to shed light on the cause. We use Microsoft Dynamics CRM 4.0 on-premise. A few days ago, one of our Users suddenly had an orange dot icon appear to the left of every single one of the contacts listed in the Default Public View for contacts. No other Users had this happen. I did a search of postings in this community and on the Microsoft Dynamics CRM community to try to learn what the orange dot means, but to no avail. Our Microsoft Dynamics CRM integration Partner suggested the dot signifies “presence” of the contact on an IM application, but this does not seem correct. The User does not have an IM application installed, and it would be unlikely that every single one of 7K+ contacts would all be online and available for IM. The User’s CRM functionality does not seem to have been otherwise impacted in any way. I have attached a screenshot. Contact Search Options 10 Replies Hi Everybody, This is my first post, as my organization just signed up today. If I’m posting in the wrong area, or if there’s an existing post I could benefit from, please let me know. I have a group of 10 employees that work with Person/Company contacts all day long. Combined they search for 1000+ contact records a day. We’re an international organization and have a 500,000+ contact database. A lot of our contacts have diacritics in their name, which requires creative use of wildcards in the quick search box. My question is, has anyone developed a method or found a thirdparty add-on that makes use of the “contains” operator right from the quick search box? I’ve been using filters, which seem to work a little better at returning results, but I have to imagine there are utilities that will make life even easier. Any help is appreciated. Does anyone know of any good resources for connecting the two? We want data like Contacts, Accounts, etc. to be synced between the two. With 4.0 we briefly had a Microsoft Dynamics NAV/Microsoft Dynamics CRM connection that worked. Why Has Our DB Grown So Much Since We Upgraded to Microsoft Dynamics CRM 2011 On-Premise? 9 Replies Before we upgraded to Microsoft Dynamics CRM 2011 from Microsoft Dynamics CRM 4.0, our database was around 24GB. We’ve been on Microsoft Dynamics CRM 2011 for a year now, and our database is around 75GB. We have not imported any records or had any significant changes in how much data is being entered or integrated into Microsoft Dynamics CRM over the past year. Our asynch table has around 800,000 records. But it has stayed around that number since we upgraded. We have a weekly job that deletes eligible records from the asynch table. Is it normal for the Microsoft Dynamics CRM 2011 database to be so large and to grow so much in such a short period of time? If not, does anyone have any ideas about what could be causing this? aram Kahlon is with the Microsoft Dynamics CRM R&D program management team and is responsible for product strategy, defining the solution’s roadmap and requirements, and then working with the development and test teams to bring User requirements to fruition. In total, he’s been building various CRM products for 14 years, giving him a well-rounded knowledge base across various experiences. CRMUG®: Your team is responsible for developing Business Process Management (BPM) in Microsoft Dynamics CRM 2013. Tell us a little about how you went about that. Param Kahlon (PK): We listened to our Users and Partners. We heard two key things. First, CRM processes are dynamic. The way companies target, market, and service Users is always changing. Our Users wanted a solution where they could easily model a changing process. Second, once changes are made, Users wanted to make sure their team is able to complete their tasks easily and in a guided way. They wanted an intuitive interface for their end Users so they don’t have to go through any training. They didn’t want to invest a lot in change management. The business process feature addresses both the needs. It is easy for business analysts to model a dynamic process and make quick changes to it. It is very intuitive for the end User. It suggests the next steps a User should complete. It is also a very good tool to rapidly train new employees for businesses that have high-employee turnover or for contract employees. CRMUG: What type of feedback have you received from Users? PK: It’s really been outstanding. Users love the simplicity of the interface. The end Users naturally think about their work as a process. Many Users who have evaluated this feature have said that this is one of the main reasons they’re upgrading to Microsoft Dynamics CRM 2013 or selecting

Microsoft Dynamics CRM as the solution if they are not a current User. CRMUG: What’s next for your team? PK: If you look at Microsoft Dynamics CRM 2013, I like to say there are three to five key areas we invested in, and business process framework was one of them. Another was a renewed User experience, leading the frontier of the superior usability. We also made investments in our mobile client and many improvements within the platform to enable Users to easily extend the functionality we offer. We also have contextual inplace collaboration through Yammer. We want to continue to make improvements in all of these areas. We are the best, most usable CRM software in the market, and we want to stay that way. CRMUG: And how will you stay that way? PK: People want to use and consume data and processes. The business process functionality is already available on mobile devices. We’re working with key Users and Partners to learn some of the things they like about the product as well as what they wish it had more of. We’re looking at making the process designer more graphical and supporting actions in processes. We’re enhancing customer service and marketing capabilities, including the ability to manage complex entitlements and compliance tracking. We’re looking at improvements around integrated marketing management, where Users can more efficiently design and execute campaigns, drag-and-drop interface for campaign workflows, and lead scoring to route the right leads to sales. We also recently acquired Parature, a customer service application that gives us the ability to manage customer self-service and incorporate knowledge management. We’re committed to helping Users deliver better customer experiences.

CRMUG: What advice do you offer to a User that is looking to improve their business processes? PK: The hardest part is really understanding what their processes are and coming to agreement on that. Once you get past that stage, the actual modeling in the tool is quite easy. It’s often an “a ha” moment when they see that business process framework meets what they need to do and helps to justify the business case. CRMUG

CRMUG: When you’re talking with Users, how well versed are they in terms of their business processes and what they want to see? PK: It really varies. Most of the time the people who are running the business have a pretty good understanding of what they want the process to be, but it’s rarely documented. In order to execute business process framework, they need to write down their processes, get consensus, and roll it out. Some companies can’t agree on the common framework for processes. Their different business unit processes could be very different from a “standard” process. The business process framework can accommodate that, too, and have different processes by different roles and/or business units.

Tips for Working with Entities ew requirements are abundant in organizations; companies are always looking to improve something they already have or add something new. When receiving new requirements, evaluation is key to providing the best solutions and making sure you are not creating Entities when they are not necessary. Complete planning by following these steps: » Evaluate the requirements provided. » Understand fully the concept before planning out how to build. » Ask questions; make sure the solutions that you are providing really fit the need. » Keep things simple; try not to over-engineer solutions. Once you completely understand the requirements, you can start to determine the best solution. For most requirements, one of the following is going to take place: » You will continue using an existing Entity – this could be the addition of fields, relationships, or workflows to improve process flow. » You will use an Entity that comes with Microsoft Dynamics CRM that you haven’t been using in the past. Most organizations are not using 100 percent of their CRM systems, which means there may be Entities in your system that you are not using that fit your requirements. » Create a new Entity. If the concept is totally new, involves a oneto-many relationship, and/or involves many relationships, a new Entity may make the most sense. Once you have determined the best solution, you can then go to work. As an administrator, you will be able to complete any of the three items indicated above by going to your solution or customizations. There are a number of things you will need to know in order to start building your solution: » What should the name of the Entity be? » What modules should it reside on, if any, and can a User access it from navigation or only from Advanced Find or other Entities? » What fields need to be created, and what type of fields do they need to be? Do they have specified values? For example, are they currency, dates, or yes/no fields? » What relationships need to be created? Both one-to-many and many-to-one relationships will need to be thought through. » What fields should reside in your system views, and do any new specified system views need to be created? » What fields should be searchable from the new Entity?

» How would you like the form to look? Do you want fields in different sections or tabs, and does one or more form need to be accessible to different types of individuals in the organization? Example: Adding an Entity to store State and Country values:

Last, but not least, always try to follow best practices. Here are several identified best practices when dealing with Entities: » Always plan ahead to reduce changes and re-work. » Validate that creating a new Entity is necessary to keep maintenance low. » Plan out your fields; once the type is picked and schema is created, it can’t be changed. » The Name field is system-required and always comes with new Entities; either use it or make sure you remove “required” and make “not visible”. » Be careful with changing display names; changing field names is a best practice to prevent confusion with your Users. » Always go through and make fields unsearchable that you are not using to also prevent confusion. » Always update views with relevant fields. » Always validate that relationships are set up correctly and displayed correctly. » Always test in a test environment before moving to production (if you can). The company joined the Microsoft ISV community with Microsoft Dynamics CRM 4.0, and today its core offering is Assistance PSA, a professional services automation tool that is embedded directly into Microsoft Dynamics CRM. CRMUG: What makes Assistance PSA different than other professional services solutions? Martijn van der Hoeden (MV): There are all sorts of solutions for professional services companies, but ours is the only one that lets them stay within Microsoft Dynamics CRM and let an opportunity flow into a project for which they can then do time entry. More than 5,000 Users are using our solutions, which is sold through a network of around 160 Partners. We’re a true ISV, committed to development and support with implementation done exclusively through those Partners. We’re also a member of the professional services industry advisory board at Microsoft and have the only xRM solution that is part of that board. CRMUG: Is your solution available with Microsoft Dynamics CRM Online? MV: Yes. It’s a managed solution, so it’s certified for Microsoft Dynamics CRM Online as well. Each quarter our new release is available for download from our website. The nice thing about that is Users can upgrade each quarter or they can skip versions, upgrading only once a year if they so choose. One note…if you move to Microsoft Dynamics CRM 2013, you will need to upgrade to

our latest product so the two are compliant with each other. CRMUG: Tell me a little about the features that you recently released. MV: We’ve incorporated more business process capabilities, using Business Process Management in Microsoft Dynamics CRM 2013, so Users can formally close opportunities, and then the Microsoft Dynamics CRM screen changes to the Assistance PSA project screen where the User will see the steps needed to create the project, including identification, setting up a project name, type, entity, stakeholders, project manager, and supervisor, and then finally recording the financial information. Using the flow from Microsoft Dynamics CRM 2013 has created a seamless experience in the project. We also have a mobile solution for time entry for Windows Phone and iPhone. When you start the app, time is running on your phone via the stopwatch. You then select a project, and your time is automatically tracked in Assistance PSA. You can install this app from the Windows or iTunes store, but you need to have Assistance PSA installed to make it work. Another feature is Assistance HR, which gives people on the project side of the business a fullblown resource management solution that enables Users to extend Microsoft Dynamics CRM with educational profiles, conversations, reviews, and more, making the whole experience in Microsoft Dynamics CRM complete. We have a portal for Assistance PSA and Assistance HR so that they work seamlessly together. A benefit of that is that a User can

request a vacation day in the portal, and when it is approved in the HR portion, that person can’t be scheduled for a project on that day on the PSA side. CRMUG: That’s a pretty great list of features. What do Users like most about your solutions? MV: They like the User interface. They’re always working in Microsoft Dynamics CRM and really have a 360-degree view of their Customers as all information is available on the account side of Microsoft Dynamics CRM. Another great selling point is the integration with Outlook. Most of our clients are highly-skilled professionals – not bookkeepers – and they want to do a great job in providing a valuable service to their Customers. They love that it looks like Outlook and that they can use

it on any device. That’s what makes us unique in the CRM space. CRMUG: What do you like most about the Microsoft Dynamics CRM community? MV: We’re privileged to have great relationships with Microsoft team members such as Bill Patterson and Bob Stutz. We know early on about changes and improvements, which allows us to be better at what we do and make sure our products are ready for the changes that are coming. We also see that Microsoft listens to our feedback. One example of that is the license structure changes as of late. We had quite a bit of influence there with PSA as there are a lot of people who just need to get in for time entry, which would just require a basis User license. Now with Microsoft Dynamics CRM 2013, that basic User type exists. CRMUG
