Call for Head-Organisers for Regional Sessions of EYP-Ukraine '16

CALL FOR HEAD-ORGANISERS FOR REGIONAL SESSIONS OF EYP-UKRAINE EYP-Ukraine is looking forward to a great 2016 year. We continue to work on the regional development of the organisation. Hence, next year will bring a number of projects that will boost the development of EYP-UA outside of the Ukrainian capital. We are planning to organise a number of sessions in Ukrainian regions.

Bearing in mind the outcomes of EYP-UA Weekends that were organised by EYP-Ukraine in 2014 and 2015 we move forward and from now onwards we want to have 5 Regional Sessions in 5 different regions of Ukraine that will take place in April, 2016. We want to expand our activities all over Ukraine providing sustainable ground for organisation development in Ukrainian regions; hence, we will be working with 5 regions of Ukraine: - West Region: Chernivtsi, Ivano-Frankivsk, Lutsk, Lviv, Rivne, Ternopil, Uzhhorod; - East Region: Kharkiv, Dnipro, Zaporizhia, Dnipropetrovsk, (Unfortunately

due to the situation we cannot accept applications for Luhansk, Donetsk); - Central Region: Zhytomyr, Khmelnytskyi, Vynnytsia, Kirivohrad; - North Region: Chernihiv, Sumy, Poltava, Kyiv, Cherkasy, - South Region: Odessa, Mykolaiv, Kherson, (Unfortunately due to the situation we cannot accept applications for Crimea).

We are looking for 5 Regional Sessions hosted in every region mentioned above.

We do not look for a Regional Session in Dnipropetrovsk as there is National Selection Conference scheduled in the this city. However, we encourage other cities from East Region to take it over and organise a Regional Session in other cities from the same regional cluster.

All organising of the Regional Sessions will have 4 stages: - EYP-Ukraine presentations where potential participants have a chance to hear about EYP-Ukraine for the first time; - Understanding Europe EU Crash Courses that will help future delegates of the event grasp on the EU institutions and main principles of the EU functioning; - Regions Session itself that is the actual EYP environment and an opportunity to experience EYP; - Newcomers Weekend will be a follow-up event in the host cities of the Regional Session in order to help the delegates get a clear picture of EYP and what are the future steps/events are in place.

Head-Organising an event is both challenging and rewarding. Over a period of several months Head-Organisers fundraise, find and book venues, publish calls and information about the event and closely cooperate with the board, to name a few of their responsibilities. Ultimately, this work will guarantee another addition to the high-quality sessions that EYP Ukraine has hosted in the past years – and it will have your name written all over it.

Regional Session of EYP-Ukraine description Regional Session of EYP-Ukraine is a three-day event which aims to promote the organisation and train youth to participate in bigger EYP-events such as the National Selection Conference. Despite the relatively brief format, the structure of the session is similar to the structure of international EYP events and includes Teambuilding on the first day, Committee Work on the second day, followed by the General Assembly on the third day. Official will arrive on Day -1 to Kyiv or other Ukrainian city close to the respective host city, then in the evening they will depart to the session host city. Day 0 is dedicated to the CJO training. Then Day 1, Day 2 and Day 3 are dedicated to the Regional Session itself.

Teambuilding Which is an informal activity aimed at close acquaintance of participants and their preparation for further challenges of the conference. Though some games might seem random and unnecessary, there is something more significant behind them.

Group moves from ice-breaking to complicated problem-solving. We have a great variety of activities, developed and tested by 25 years of experience.

Committee Work The committee work is the most European activity you could possibly imagine, as it is entirely built on cooperation and consensus of its members. The delegates have on forehand been given a committee topic about issue which they have to prepare and analyse before arriving at the session. Guided by the chairpersons, they go through an intense workshop including brainstorming, debating and finalising their ideas and putting them in a document.

General Assembly At the General Assembly, all participants are gathered, and the committee proposes its resolution. Others are invited to attack it and ask questions during the open debate, and at last the assembly casts its votes. It follows a strict parliamentary procedure, led by the board of the session.

General information The person responsible for this call is Michael Rozhkov Shekhtman, VicePresident on Regional Development (rd@eyp-ua.org). In 2016, when the new board will start acting, Liza Skorobreshchuk will take it over and provide the assistance to the Head-Organisers. You can contact both of them at any stage of the organizing process as well as any other Member of the Board if you have any questions or already want to discuss ideas. You may already contact your school or other institutions/organisations about your plans. However, do not make any binding arrangements without the support of the board. You can explain to potential partners that you are still at the beginning of project planning and will come back to them for a final agreement later.

Finance EYP-Ukraine‘s Finance Department will be happy to support Head-Organisers in pursuing their fundraising ideas, ensure the high quality of fundraising work and coordinate the fundraising of different sessions. However, it should be noted that fundraising is primarily the responsibility of the organising team. We expect the majority of funding for EYP-UA Weekends to be acquired within the region. Support for Head-Organisers The Board will support Head-Organisers throughout the course of realising their project. The Board is split up into different portfolios and will help you in their respective fields of responsibility. Templates and a high number of documents for reference will also be available. All sessions will also be allocated a member of the board as personal mentor-supervisor. The mentor will support them from the beginning, share knowledge about head-organising, answer questions and represent the session in board meetings.

Selection How to apply With your application, we want to get to know you and your organisational skills and get a grasp of your vision and ideas for the event you want to organise. You are still at the very beginning of the planning phase, you have probably not headorganised a session before and you do not know all the plans and constraints of the board. Therefore, it is no problem at all if you are not sure about the specifics yet! Your application should show us the ideas you already have, we will be happy to discuss and elaborate these concepts with you once you have been selected.

If you wish to headorganise a session together, please send in a joint application by duplicating the parts “Personal Information” and “Session History“.

Selection Procedure The Selection Panel will consist of all Members of the Board of EYP-Ukraine 2016 and will be led by Liza Skorobreshchuk (Board Member on Regional Development of EYP-Ukraine). All applicants will be informed about the selection results individually.

The panel will take into account  The (organising) experience of the applicants  Organisational details and proposed budget  Vision and ideas for the proposed event  Overall quality of the application  Regional balance/relations to other sessions: A Regional Session may not take place in the same city as the National Conference and there should be at least one session in every region.
