Overview This document is designed to give an overview of the various activities, projects and events that Fitness New Zealand is planning for 2012, and provide opportunities to suppliers to the industry. For suppliers who are already activity involved with FitnessNZ, this document can serve as a reminder of the key dates for existing events, plus a list of new projects that may be of interest. For those suppliers that have not had a lot of engagement with FitnessNZ, it can serve as a more detailed overview of all of the various activities that FitnessNZ is involved in, both regular events, and new projects. Important Changes: There have been a number of changes for 2012, including expanding and rebranding the conference FitEX, and co-timing BusinessGrow to the conference and awards week.

Who is Fitness New Zealand? We are the industry association for the health & fitness industry. Fitness New Zealand (FitnessNZ) is a non profit organisation committed to working on behalf of our members – New Zealand’s fitness and exercise facilities. Our members comprise of approximately 250 facilities (75% of the health club industry) and includes private fitness clubs, public leisure centres, together with educational and corporate establishments with fitness facilities. All the industry leaders are members of FitnessNZ: Les Mills, YMCA, City Fitness, Contours, Club Physical, Manakau Leisure Services, and many more! Members pay an annual subscription to receive ongoing advice, business support and the recognition associated with the backing of a trade association. Established in 1993, FitnessNZ has developed a strong relationship with club owners and with this comes the reassurance that our communications are read, and our resources and projects are highly valued.

What can Fitness New Zealand do for you? Put your information in front of the decision makers of the industry With our high standing both within the industry and with government agencies, together with our extensive and up to date database, we are able to offer suppliers a great avenue for marketing their brand and networking with key decision makers. FitnessNZ members are fitness facility owners, gym managers, general managers and other decision making personnel. As a paying member, they do read materials that we send them, which means that your advertising will be seen! We communicate regularly with our members via email, telephone, and by sending regular letters and newsletters. We also hold regular meetings ranging from relatively informal meetings of club operators, through to full day business summits, and a large annual conference, and the highly prestigious annual industry awards. All of these meetings include items of interest to fitness centre managers and owners, providing an excellent opportunity for you to communicate to this target market.

Marketing Opportunities for New Suppliers If you are a new supplier to the industry, or just new to your relationship with Fitness New Zealand, then this section serves as an overview of how we can help to get your products and services in front of decision makers (either manager or trainers, depending on your product).

A quick overview of marketing opportunities we offer •

If your product/services target clubs, gyms and fitness centres (e.g. you sell gym equipment, or products or services that an exercise facility may use) , then the best conduit is FitnessNZ – the majority of clubs in NZ are our members, and we regularly communicate with managers and owners on key industry issues (and they read what we send them!). We also regularly communicate to our non members, so ALL exercise facilities can be communicated to via FitnessNZ. Other points to consider: •

To be involved in ANYTHING that FitnessNZ does, other than the Fitness Industry Awards, you must first become a preferred supplier (see page 7 for details). This means that FitnessNZ promotes you as recommended by us, and you are also entitled to use the preferred supplier logo (so your own marketing reinforces your association with us). The suggested event to be part of is BusinessGrow (see page14)

• Other events that you may wish to consider include the FitEX Conference (page 11) and/or the Fitness Industry Awards (page 13).

If your product/services are targeted at exercise professionals (e.g. you sell training for PTs, or group exercise CDs, or heart rate monitors) then the best conduit is the Register of Exercise Professionals (REPs). REPs operates the registration system for exercise professionals in NZ and has up to 2,000 individuals registered at any one time. FitnessNZ co-ordinates the marketing of product through the REPs database (the main communication channel being email) and products can be promoted to this group via email, post, and also through links to other organisations (such as the Personal Trainer Council of NZ, which can be directly sponsored). Other points to consider: •

The suggested event to be involved in is the FitEX Conference as it has the highest number of exercise professionals in one place at one time (see page11 for details) BusinessGrow may also be useful (see details on page 14)

If your product/services mainly target the public, then you may wish to consider sponsoring the Fitness Industry Awards. In addition to significant exposure to the industry, the awards receive media exposure (including full page ads for each sponsor in the most read consumer magazine FitnessLife). Sponsors are also assured of ongoing exposure long after the event has taken place, as award recipients promote their own award that includes the name of the sponsor.


General notes for all suppliers •

Email is normally the most cost effective communication option. This is particularly true if the idea you wish to promote is a service and/or you have a detailed web site or brochure that outlines the services/products on offer.

The FitEX Conference is the best opportunity to physically demonstrate a product and/or demonstrate a service in one place over two days. The conference is held in Auckland in the last weekend of November (see page 11 for more detail).

BusinessGrow is the best opportunity to engage with club owners and managers over an extended period. BusinessGrow is held in the three large cities (Christchurch, Wellington and Auckland) with the Auckland event the Friday before the FitEX Conference/Awards weekend

FitnessNZ sends physical mail and email to hundreds of clubs several times a month

REPs sends emails to several thousand exercise professionals several times a month

The industry awards are an extremely prestigious black tie event, with guest speakers including the Hon. John Key

Preferred Supplier Programme A programme for honest and reputable suppliers only FitnessNZ operates a Preferred Supplier programme, in which suppliers that take part, and agree to follow the Preferred Supplier codes, are recommended by FitnessNZ to the industry. In addition to producing a directory of Preferred Suppliers that is distributed to every fitness/exercise facility in the country, Preferred Suppliers are issued with the Preferred Supplier logo which they may use on external marketing material. FitnessNZ recommends to all fitness centres that they use Preferred Suppliers where ever possible, and FitnessNZ itself chooses to only have Preferred Suppliers at key industry events (such as Business Grow, FitEX Conference, Filex drinks etc). The important concept behind the Preferred Supplier programme, is that it is NOT a “yellow pages” of suppliers to the fitness industry. It is a list of suppliers that FitnessNZ recommends to the industry, since these suppliers agree to ‘play by the rules’ and follow an industry code. For this reason all Preferred Suppliers receive the same size ad, in the same format, and pay the same price. it’s not a competition to see who can have the largest ad (like the yellow pages) or the largest display (like some trade shows). Becoming a Preferred Supplier is the starting point should a supplier wish to be involved with any of Fitness New Zealand’s events. So to be involved in any industry event (such as BusinessGrow, or the FitEX Conference or even just sponsoring drinks @ Filex in Sydney), Preferred Supplier status is a pre-requisite. Preferred Suppliers are also regarded as our key partners in delivering these events and invited to take part in them. We also work with our partners to maximise the benefits they receive from being a Preferred Supplier.

What is involved in being a Preferred Supplier Becoming a Preferred Supplier is an application process. As a part of the application progress, suppliers agree to follow the Preferred Supplier code of ethics (which lists a number of criteria) along with any specific requirements for the products or services being offered (all these requirements are available from FitnessNZ). Once approved FitnessNZ issues the supplier with the certificate, copy of the Preferred Supplier logo, and collects in information for inclusion in the Preferred Supplier directory (each supplier is given a full page under one category). The directory is updated several times a year, so suppliers can apply anytime, and new suppliers are simply added to the next edition.

Investment The investment is $1,500 + gst per year. This provides a full page listing under one category in the Preferred Supplier Directory. Additional pages under different categories can be purchased for $500+gst per listing. NB: The Preferred Supplier status is given to the organisation, not the category/listing, so regardless of how many listings the supplier chooses to have, the entire organisation is regarded as a Preferred Supplier. Any additional pages/listings are simply a mechanism allowing the supplier to show to potential customers the different range of products and services it can provide.

What benefits do Preferred Suppliers receive? •

Being able to use the Preferred Supplier logo on all marketing material.

A Preferred Supplier certificate to display in showrooms/offices.

A full colour one page listing, under the appropriate category, within the Preferred Supplier directory. The directory is distributed to every health and fitness centre manager in New Zealand (FitnessNZ keeps an up to database of this, so we know the directory will seen by decision makers). The Directory is also hosted in an online version on the FitnessNZ web page.

Opportunity to be involved in other FitnessNZ events (e.g. BusinessGrow, FitEX Conference). FitnessNZ fully supports Preferred Suppliers, and only invites Preferred Suppliers to be involved in such events (i.e. suppliers that are not Preferred Suppliers are unable to take part).

Associate membership to FitnessNZ – so you will receive all of FitnessNZ’s regular communications that it sends to its members, keeping you up to date with what is happening in the industry.

Access to the results from the FitnessNZ supplier’s survey1 (in 2007 FitnessNZ gathered data on market share of each of the major suppliers, in 2006 FitnessNZ gathered data on brand perception of suppliers, which was repeated in 2009 to enable comparison).

Most importantly, recognition and the stamp of approval by the fitness industry’s trade association.

FitnessNZ also produces a wall calendar listing all preferred supplier (each supplier is given an opportunity for free ad space) as well as key industry events/conferences etc.

Premium Partners FitnessNZ also has what is referred to as Premium Partners. This is limited to four, non competing suppliers. Premium Partners receive recognition at all FitnessNZ events (except the industry awards, which are run entirely separately). Premium Partners receive recognition as Gold Sponsors of BusinessGrow, and also receive a stand at the FitEX Conference. Other events that FitnessNZ runs also recognise FitnessNZ Premium Partners. Premium Partners agree to invest significantly in all FitnessNZ events (BusinessGrow, FitEX Conference) and receive significant exposure at these events. Note: As with all FitnessNZ events, to be eligible to become a Premium Partner, a supplier must first be a Preferred Supplier of Fitness New Zealand.

Premium Partners for 2012 is full, but interest in becoming a Premium Partner can be expressed at anytime.

Events/Networking Opportunities The opportunity to be face to face with decision makers within the industry. Networking Drinks Filex (Sydney) and IHRSA (San Francisco) are two of the fitness industry’s most prestigious and well attended international conferences. FitnessNZ encourages key club owners to attend, and invites them to join us for networking drinks during one of the evenings. Opportunities exist to sponsor the drinks, thus giving you the chance to socialise and network with decision makers in a more informal setting.

Sponsorship of the Networking Drinks gives you: •

Access to details on those attending supplied before the event (where possible)

Branding at the drinks venue (subject to space)

Other Organisations Personal Trainers’ Council of New Zealand A voice for personal trainers

In 2008 FitnessNZ supported the development of the Personal Trainers Council (PT Council) of New Zealand. The PT Council is now established, and FitnessNZ is providing the ongoing administrative support for this organisation. As a part of this support all sponsorship arrangements are co-ordinated by FitnessNZ. Ongoing sponsorship opportunities exist to support the PT Council which provides sponsors with both online promotion (on the web site), as well as recognition at PT Council’s forums nationwide. Note: The PT Council works closely with FitnessNZ and the NZ Register of Exercise Professionals (REPs) on significant issues effecting the industry and trainers. The largest event in New Zealand for the industry

Background For the last 6 years FitnessNZ has run the annual fitness industry conference. The 2012 event is scheduled to take place on 24/25th November 2012, with a pre-convention one day specialist workshops on Friday 23rd November 2012.

The conference targets anyone working in the industry – managers, personal trainers, group exercise instructors, sales staff, etc. Sessions are grouped into one of the following categories: Business, Personal Training (exercise and nutrition topics), Group Exercise, Mind Body (eg pilates, yoga etc), In addition to educational sessions and workshops, the event also has an opening ceremony where all attendees are together, as well as a social event mid-conference. This is the single best opportunity of the year to have face to face exposure to such a large proportion of the industry.

Sponsorship Opportunities The FitEX Conference has various sponsorship options – ranging from simple speaker sponsorship through to significant Conference involvement and exposure. Most are very low cost and enable sponsors to pick the type and scale of sponsorship to suit their products, position in the market and budget.

FitnessNZ has a product show case area at the conference for small products and/ or services. Mainstream gym equipment (treadmills, weights etc) is not displayed as a part of this area, but it may include new exercise equipment that is small (under 1 metre) and/or unique. Preferred suppliers may have a display area an a nominal fee (under $500), subject to to meeting this criteria.

Note: Extensive pre-event marketing for FitEX starts in March. To ensure benefits of sponsorship are maximised, we recommend you confirm sponsorship by then (so it can be acknowledged in pre event marketing materials).

BusinessGrow is the industry’s only business summit dedicated to issues within the New Zealand fitness industry. Visiting New Zealand’s three largest cities.

BusinessGrow features world-class presenters on the business of fitness/exercise with a separate stream for facility managers, and personal trainers. Topics range from sales/ marketing/retention to maximizing profits centres. Held in three cities ( Christchurch, Wellington and Auckland), in 2012 it is co-timed with the FitEX Conference and Fitness Industry Awards weekend, with the Auckland BusinessGrow being held on the Friday prior to the weekend of the conference and awards.

In 2012 BusinessGrow will produce an event handbook for the delegates with session notes, info on the day etc. Silver and Gold Sponsors have the ability to include pages in this handbook as delegates are more likely to keep the handbook than an inserted brochure. To be consistent (and also to ensure the delegate pack is tidy) there will not be an option of having additional inserts outside of the handbook.

Industry Awards The fitness industry awards are an annual event, which started in 2005 (run by Fitnesslife from 2005-2009), recognising excellence in the exercise and fitness industry. The awards have a number of categories, for both individuals and facilities that operate in the fitness/exercise industry, as well as special awards for those outside the industry showing a commitment to health and wellness through exercise. With the exception of two awards, all awards are based on an application process that is reviewed by a judging panel, with finalists (preannounced) and winners announced at a formal awards ceremony. The award ceremony itself is extremely prestigious, and guest speakers have included the politicians the Hon John Key, Hon Rodney Hide, Hon Murray McCully and Sue Kedgeley. The award ceremony ’s MC is fitness and media personality Suzie Clarkson. The awards receive extensive media coverage both leading up to the event (in FitnessLife magazine) and after the event (in 2010 several newspapers ran articles on the awards and the winners). The event itself is a black tie dinner, and has over 350 guests made up of industry leaders, award finalists, and those interested in celebrating the success of our industry. The awards also include a guest VIP (often a politician).

Naming rights for the category e.g. the awards is called the “Supplier ABC Fitness Centre of the year” award. All winners MUST use the full name including the category sponsor.

Inclusion in a two page spread in FitnessLife consumer magazine (NZ’s most read magazine of its type)

A full page ad in FitnessLife magazine.

Recognition on the awards web site, and promotional material (subject to confirming by March 2012)

Major exposure and recognition during the awards ceremony (opening address, and while the category winner is announced images/info on the sponsors will be displayed on the screen along with the winners details and profile)..

Sponsorship of major categories is $10,000, and as low as $5,000 for minor categories. Sponsors from the 2011 awards will be given first right of refusal on the category they sponsored, and also options to sponsor additional categories until March 2012. After then any unconfirmed categories will be made available for sponsorship to new sponsors


Post and email options Exercise Facilities

FitnessNZ can offer email and/or physical post to either FitnessNZ members (approximately 275 facilities) or the entire database of exercise facilities in NZ (around 500). FitnessNZ is in regular communication with members, normally more than once a month by post, and weekly/bi-weekly by email, and keeps contact details up to date. Our database of non-members is cross-matched against several sources, and then facilities individuals contacted to get correct managers details and postal address etc.

Exercise Professionals

FitnessNZ, through its association with the registration body for exercise professionals – the New Zealand Register of Exercise Professionals (REPs), can also coordinate sending emails and/ or post to exercise professionals (up to 2,000 individuals depending on the time of the year) which includes Personal Trainers, Gym Instructors and Group Exercise Instructors.
