Summer is quickly approaching and all of us in the association world know what that means: it’s conference and convention season. Our own FSAE Annual Conference is right around the corner on July 15-17 at the Vinoy Renaissance Resort and Golf Club in St. Petersburg. It is the premier event of your professional society and our Conference Co-Chairs, Rachel Luoma, CAE and Richard Miseyko, CMP, CMM have orchestrated a first-class event. If you have not already signed up for the conference, do it today. You will not be sorry.

The Annual Conference is a prime example of our members coming together to create something amazing for the membership at large. The Conference Committee is made up of just 14 members, each of whom chair individual committees to accomplish our goals of excellent education, fun and effective marketing exposure, sponsorships, successful Silent Auction and VIP Reception. In total, there are over 60 members working to deliver a phenomenal experience at Annual Conference.

We can’t do it without our volunteers – thank you for all that you do!

Another committee with incredible volunteers making a difference is our Governmental Affairs Committee chaired by Paul Ledford, CAE with Barney Bishop serving as Vice Chair.

As I reported in an earlier column, HB 549 and SB 1114 were introduced this Session. Titled, “Act Relating to Membership Associations,” the bills would have created onerous reporting requirements for an estimated 50 state associations that receive public funding and would have limited their ability to litigate against the state (for any reason).

Due to the collective efforts of numerous association public policy teams, both bills were amended at several committee hearings which effectively narrowed the scope and reach of the legislation. In the end, the legislation did not pass and had been amended to affect far fewer associations. This was a great example of the association community coming together through the Governmental Affairs committee to make sure harmful legislation with unintended consequences for our associations did not pass.

I am very happy to welcome Sandy Merrill to our staff as Office Manager.

Sandy has great experience in Association Management and I love her can-do attitude as well as the member service skills she brings to our FSAE Team. Sandy worked for a national corporation for 15 years before joining the Florida Dental Association where she served as the Member Services Coordinator for 9 years. She most recently served as the Chief Administrative Officer for the Florida Podiatric Medical Association. We’re glad she’s here!

Twelve Things to Remember

As your elected Chair I must say the year has flown by quickly! My “official” term ends at the close of the 2015 Annual Conference, however this article is my last. Make sure to attend this year’s Conference as the theme is “Strength Through Collaboration” and promises to be the best yet! As I reflect on FSAE’s many achievements this year, I must give the credit to an outstanding Board of Directors, enthusiastic Committee Chairs and members, inspiring Associate members and our exceptional CEO Frank Rudd and the FSAE staff! Thank you all for making FSAE the best professional association!

As association professionals we have many opportunities and challenges. To succeed we need passion and motivation as well as following a path to personal discovery and achievement. You never know who or what will provide you with words or ideas that help to conquer fears and motivate us to achieve our goals. A colleague of mine shared a book she recently read titled The Tiny Warrior by D.J. Eagle Bear Vanas. This is the type of book that you read over again because it reminds us how to better ourselves to better serve others! Serving others is what our associations do every day.

Here are my Top Twelve Things to Remember from Tiny Warriors: 1. Your capacity in life should not be based on what others can do, but only on what you can do.

2. The simplest lessons in life are often the most powerful. Truth requires few words.

3. You will be rewarded and judged by actions, not intentions.

4. Your success in life will be a direct balance with how much you help others achieve it.

5. Live the life you love. Love the life you live.

6. If the passion and desire for your dream outweighs your fears of looking foolish or failing, you will succeed.

7. Be a cheerleader, an enthusiastic believer in yourself and your dreams. Don’t ever criticize yourself; there are critics who will do that for you.

8. You only gain courage after you take a risk.

9. There is no limit to what a group can do when egos don’t interfere.

10. Success is choosing your sacrifices. Consider the time, energy and effort you use to improve yourself as an investment.

11. Times change but true wisdom and power of the human spirit are timeless.

12. Each person has the power to do amazing and wonderful things. Now imagine what a few, a dozen, or the entire Association can do working together!

The power of association is real. The achievements this year are amazing and to recap a few: • Membership: is the highest ever at over 950! We welcomed our TSAE colleagues and recruited new friends and associates.

7 Keys to Cultivating a Spirit of Excellence Fsae annual conference Keynote speaker

BY Delatorro L. McNeal, II Regardless of our industries, career titles, roles, functions or positions, we all desire excellence in our organizations, our teams, and most importantly within ourselves. If you ask most corporations what their top 10 core values are, over 90% would list “Excellence” in their top 5.

But how do we get to excellence? Is it a one-time achievement, or a perpetual on-going quest to be the best? As a Peak Performance Expert, I’ve been fortunate enough to work with Fortune 100 organizations all over the world, and I’ve learned over the last 15 years that excellence is a habit. It’s a skill that can be learned.

What follows are 7 keys that I believe will help any professional unlock that ever-elusive Spirit of Excellence in themselves and others.

1. Desire Excellence. If you want to be a person of excellence you must first desire to be that type of person.

A person of excellence doesn’t take short-cuts. They don’t go for the cheap things. They have a genuine desire to be excellent and they have an attitude that is not willing to settle for half-baked, half-done and half-assed results.

2. Get an Example of Excellence. In order to cultivate excellence you must have an example. What does excellence really look like in your industry? How does it sound, feel, smell, taste? Excellence leaves you clues to find and collect.

3. Gain Access to Excellence. Once you’ve found an Example of Excellence you must gain access to that example up-close and personal so you can see what happens behind-the-scenes. Typically, excellence is 80% back-end and 20% what you actually see. And if you want to be excellent you can’t just sit in the audience and enjoy the play, you have to go backstage which is where the real excellence is born. Sometimes gaining access to excellence may mean investing in events, retreats, experiences, and/ or opportunities to get time with the people you want to access.

4. Serve Excellence. If you are blessed to gain access, you’ll need to serve excellence. Donate your time. Work for free. Don’t ask for a single penny, because what you’ll learn you could never pay for anyway. As you serve a person or an organization of excellence you will quickly learn that excellence is a “crockpot” process - there are no “microwave” results. It takes time. But if you have a humble and helping heart, you can serve your way into excellence.

5. Study the Details of Excellence. Think about it. What makes a great dining experience excellent? What makes a great vacation excellent? What makes a car buying experience excellent? What makes a movie, play or production excellent? What makes a conference or event

If you want to be excellent, focus on the details that your customer, client or consumer cares about and over-deliver on those details.

6. Demonstrate Excellence at Your Level. One of the biggest mistakes I see people make as they strive for excellence is they negatively compare their own excellence with someone who has been excellent for 30 or 40 years, and they get discouraged. Stop the madness. If they’ve been doing something for 30 or 40 years longer than you, they are going to be much better at it than you. So now that that’s settled, focus on being excellent at your level, with your resources, education, background, credentials, support system, know-how, creativity and hustle. Be excellent at your level, and that will be more than enough for your tribe to love you.

7. Tweak Excellence. What makes people and organizations excellent is their commitment to continually improve upon their last level of excellence. Think about it, the root word of excellence is excel, which means to go above and beyond. As you do all 7 of these steps to cultivate excellence, know that you will always be making changes, improvements, modifications and adjustments to grow your excellence on daily basis. Always remember, that your best…is your next!

Here are some examples of how I’ve seen it used: We collaborated on ideas together by shouting out what’s on our mind during a meeting.

We collaborated with our marketing and sales departments on improving the customer experience with a journey map.

We collaborated on better ways of improving the results at the end of our project.

We collaborated in real time with customers using an agile approach with team members using smartboards, desktop screen sharing, and team live chat.

Which is the best definition?

The beauty is in the eye of the beholder. And too often those eyes are impaired with complacency that restrict themselves from creating a leaner, more productive, and smarter way of helping their team reach their goals.

Collaboration to me is a process, not just a noun.

It’s a carefully customized approach to filtering the best ideas to solve real problems in real time. You would never say “let me get back to you in a couple months.” Either the idea is good or it’s not. Collecting them is the easiest part. Saying no is much harder. And you don’t need to hire a consulting firm in order to help prioritize each move as long as you have a defined decision making process to separate the wheat from the chaff.

Collaboration requires better tools.

The latest hardware, SaaS (software as a solution) tools, and apps have many different features that enable collaboration, but not all of them are as user friendly.

Roadblocks to collaborating with new tools include device cohesiveness (everyone is using the same device, operating

system, etc.), tool selection (tech/software/app), and training the team on how to use them effectively inside of your collaborative decision making process.

Collaboration requires alignment on the tools.

Everyone has their own favorite tool they will want to use.

There becomes a point when the team leader has to say, “We are using X tool, end of story.” Leaders who don’t, may have their team members arguing over which tool’s features are better, rather than intentionally solving the problems at the start.

Think about those areas of focus where your team needs the most help. Is it the process, the tools, or alignment on the tools? Ask your team. I’m confident they will want to collaborate with you.

Reconsidering Technology in the Workplace

From entry level to management level employees, a laptop computer, smartphone, teleconferencing platforms and cloud storage services are a staple of many By kenyetta M. mullins employees’ day-to-day lives.

Most executives can attest to the numerous benefits of incorporating technological advances in the workplace: greater efficiency, reduced costs related to printing and archiving documents, as well as improved communication with clients, employees, and vendors. Notwithstanding these benefits, you should consider some of the legal implications related to employees and their use of technology in the workplace.

1. Is Physical Presence at Work Necessary?

The Americans with Disabilities Act prohibits an employer from discriminating against an individual based on an actual or perceived disability. If an employee is qualified, then absent an undue hardship, an employer must provide a reasonable accommodation to its employee so that the employee may perform essential job functions. As an example, in a technology-laden work environment, one’s typical workday may consist of little face-to-face

communication with others. Consequently, physical presence at work may not be an essential job function.

Therefore, permitting an employee to work from home, also known as telecommuting, may be a reasonable accommodation. Simply stated, complying with the ADA requires an employer to assess the reasonableness of an accommodation in light of the technology available.

2. When, how, and how much do employees actually work?

The Fair Labor Standards Act requires employers to pay non-exempt employees time and a half for working in excess of 40 hours during one week. In a traditional work environment, employers would likely have constant observation of, and thus, knowledge of when and how an employee actually works. Contrastingly, when an employee works independently, there may be concerns about whether the employee is working efficiently, and more importantly, whether he or she is even working at all. While the law precludes an employer from docking an employee’s pay for down-time, measures can be taken to ensure oversight in this area. A non-exhaustive list includes: developing a policy that expressly addresses internet and computer use; requiring employees to make a daily report of how their

Years ago the most complex email fraud going on was an email claiming to be from a prince in the Democratic Republic of the Congo who had misplaced the family fortune of diamonds ... but if you would pay his processing fee of $10,000 he could get it back and share it with you.

“Criminals register a fake domain resembling that of your organization.

It’s usually one letter or a word off, but close enough to pass a casual glance. Then a fake email account is created and that’s when it gets devious.”

Cyber crime has evolved since those days, continuing to develop ever more sophisticated threats to our technological security. The latest is called "Boss Phishing."

This practice is a tactical, well thought out and an extremely methodical ploy.

Most targets avoid this fraud by consulting an IT professional or by noticing the domain is off. But organizations where the culture dictates that you do what the boss says no matter what might fall victim to this attack. Or it might be standard operating procedure to frequently move cash around.

Here's how it works: The criminal registers a fake domain resembling that of your organization. It's usually one letter or a word off, but close enough to pass a casual glance.

Then a fake email account is created and that's when it gets devious. The perpetrator of this kind of fraud trolls public records, social media and your website looking for who's the boss (not Tony Danza) and the name of the accountant.

A common misconception is that people think they have been “hacked” if they get this kind of email. You have not. Simply do not reply to the email. Contact your IT professional and report the incident to our friends at the Florida Department of Law Enforcement – Cyber Crimes unit.

In advanced examples, I have seen specific projects mentioned, which adds even more credence to the attack.

For example, "Tom (accountant) send me $25,750 dollars to the account below so I can pick up more concrete for the Johnson project in St Pete. From Bob (the boss)."

how to Use Call Analytics to Grow your Association and your Members’ Businesses Attracting and engaging new members is key in every association. Knowing which marketing messages and which channels reach your target audience is essential for your recruitment and retention success.

We all know that members are bombarded by an increasing number of messages delivered by a growing number of channels. Some members read print while others prefer email, and some prefer methods you may not have even considered yet. Not only do you need to get their attention, you need to earn and keep their trust – trust that you won’t waste their time, and your email, newsletter, or blog will be worth their attention. But how do you accomplish all that?

Luckily, there are several tools available that allow you to use analytics to gain valuable business intelligence that leads towards more informed marketing decisions.

Tracking your Advertising When a potential member, or any type of buyer, is considering investing in annual dues they probably will have questions for you. Research shows that when consumers are getting serious about spending money, they prefer to speak with a person rather than purchasing online without any personal attention. Despite all the internet buzz, the phone is still a primary form of contact between you and your potential buyers.

Call tracking is a relatively new and little known strategy that offers huge advantages to marketers that use it. It answers questions such as “which marketing campaigns are working and which are just wasting money?” Essentially, you assign phone numbers to different forms of advertising and forwards the calls to your existing office number. Using an online phone number provider is an easy and cost-effective way to use multiple phone numbers. And more importantly, providers include detailed call tracking reports that make it a snap to see which ads are driving calls.

Other Analytics Derived from Call Data In addition to call tracking, hosted communication services can serve as a great asset to your organization in a variety of other ways: Call Recording The person answering your phone is responsible for the first impression potential members have of your organization. Adding call recording capability to your phone numbers allows you to monitor your members’ experience with your company. Additionally, it can be used for training purposes or preparing your customer service representatives to overcome objections. So now you’re not only tracking where the calls are coming from, you’re also learning what your members are calling for.

Advanced Caller ID To really get the most out of your call analytics, investigate advanced caller ID services for in-depth reports about your callers. Advanced caller ID cross-references the caller’s phone number against demographic databases and can provide incredibly detailed data points such as Continued Page 26
