WE NEED YOU! Good evening everybody, thank you once again for supporting us in raising valuable funds for our children, our school and together achieving the ambition to make them the best they can be. This summer we find ourselves at a cross roads with regards to the future of the PTA and the direction we take moving forwards. To continue with the level of support we have been able to provide the school with, we simply have to generate fresh interest and support from the school community as a whole. Support can come in many forms, attending the events we enjoy arranging, volunteering to help or run a stall at an event, baking or donating items to be sold at an event, offering some time to share a skill or professionalism that will enhance the PTA or even becoming a member of the committee … more about that in a minute. For a number of years, we have been working with the school to identify a largescale item that we could target our fundraising to be able to achieve, in September last year the challenge was set to contribute £6000 towards adding additional learning space to the school. Through our fundraising over the last 12 months and generous contributions from the wider local community we have been able to exceed this target and the additional learning space is currently becoming a reality and a lasting legacy of the PTA.

This project is on top of the regular commitment the PTA has to the school by funding the following each and every year: • The provision of additional learning resources in conjunction with individual class requests. • A Christmas present given to all children at the school. • The funding of the Year 6 leavers trip, t-shirts & video. • The funding of the end of school year disco & refreshments for the whole school. • Contribution towards the School minibus & travel expenses. At the heart of the PTA is a committed group of parents that bring their own set of attributes working together in the best interests of the community we support. Not only have we formed a great friendship, we genuinely enjoy working with everybody associated with the school and actively encourage everybody to get involved no matter how big or small that is so we can continue with our involvement. The end of this school year sees some members of the current committee stepping down from roles they have held and contributed valiantly for many years, as such in order to keep the PTA a viable entity from, we are now actively


appealing to all parents & carers both old and new to consider joining us and taking on a role within the committee. From September 2018 we need to recruit a Treasurer and Secretary, these roles are key for us to remain a charitable organisation, details of what each role entails can be found below. Teresa Roper, our outgoing Treasurer had this to say about her involvement with the PTA and how worthwhile it has been: “I’ve been the current Copdock Primary School PTA treasurer for 4 years and found the role really enjoyable and interesting! It’s great to become involved in the school and really feel you are doing something worthwhile. Plus, you get to find out first how much money events have made! You don’t need a financial background, just be reasonably good with money and be able to use Excel or some form of spreadsheet. It’s not a very time-consuming role, but one where you really feel valued, get to know other parents better and be part of a team.” Thank you once again for your valuable support, we hope you have an enjoyable (and lucky) evening. TREASURER CHARACTERISTICS A key role for all committee members is to manage and control the funds the PTA raises. Although all the committee members have equal responsibility for the control and management of PTA funds the Treasurer plays an important part in helping the committee carry out these duties properly. JOB FUNCTION To maintain up-to-date records of all PTA financial transactions. MAIN DUTIES • Keep an updated spreadsheet on income and expenditure from the PTA account • Produce an annual report of PTA accounts at the AGM • Bank all cheques and cash from PTA events • Provide cash floats for all PTA events • Keep records of any annual payments we need to make and pay them • Attend PTA meetings and help with fundraising as and when you are available

SECRETARY CHARACTERISTICS The Secretary ensures that the PTA runs smoothly and provides a link between the members, and the School. This requires good organisational and communication skills and being able to stick to deadlines. JOB FUNCTION The Secretary deals with all the correspondence that the PTA receives and helps the Chair ensure that Committee Meetings run smoothly. MAIN DUTIES • Attend & minute PTA meetings and send notes to all members in a timely manner
