Travel Policy
We acknowledge that our clients demand disciplined systems to ensure compliance with company financial policies. We confirm that your requirements in this regard will be adhered to by means of a documented travel policy setting out the prerequisite controls, procedures and travel booking instructions. All telephonic travel bookings are immediately confirmed by e-mail detailing the passengers’ names, flights, destinations, dates and times of departure and arrival, as well as any car hire and/ or hotel requirements. We will ensure that the necessary authorisations, approvals, and ,where necessary, order numbers are obtained for all bookings. If necessary we can provide a consulting service to help your company develop an effective Travel Policy.
XL Turners Travel uses a sophisticated automated accounting system, which is designed for the travel industry. This system is structured to record all travel data and financial transactions and to report the information in quality management reports. Some of the complimentary reports available include: 1.
The Business Travel Statement
This report provides you with a comprehensive analysis of your organisation’s actual travel expenditure for a defined period. Our systems capture the data from every transaction that our consultants have processed on your behalf. This has significant implications for control of the travel budget. 3.
Where we are required to make advance payments to suppliers as in the case of international land arrangements etc., we will need to forward the money out of the country by means of a foreign currency transaction and will request the funds from you before we effect the prepayment. This policy will also apply to prepayments and deposits, which are required to secure arrangements. Lodged Travel Credit Cards

ADDITIONAL SERVICES Passports & Visas Our consultants are able to offer expert advice on the procedures for obtaining new South African passports. We also welcome the opportunity to manage all your visa requirements. Once the necessary forms have been completed, we will arrange delivery to and collection from the respective consulates and embassies.
Details of the most suitable insurance regarding baggage, medical and/or personal accident cover is available from our consultants. Insurance policies can be issued on request. All air tickets are issued electronically but where there is the need for hard-copies of travel related documents XL Turners Travel has express delivery vehicles which service Durban and the surrounding areas ensuring your documents are delivered in good time.

In view of this we take great care to ensure our business travellers are informed, updated during their trip and assisted in any situation which may require our intervention. This may be as simple as a telephone call or an SMS with reassuring advice, right up to evacuation procedures in the event of war. XL Turners Travel has systems in place that can locate and track a company’s travellers wherever they are in the world.
Our delivery service in Johannesburg covers a wide area and includes Pretoria. Efficient delivery requires commitment and communication. Foreign Exchange
XL Turners Travel would be happy to assist in setting up a Travel Policy that includes Risk Management.
Arrangements can be made to deliver foreign exchange directly to your corporate offices on an appointment basis. Foreign currency allowance and passport endorsements will be effected simultaneously. This procedure will minimise inconvenience and save on wasted time spent out of the office.

Monthly Control & Cost Savings Reports
We prepare a detailed itinerary for your trip so that you have an easy to read reference guide which will eliminate confusion and ensure a hassle free journey. The itineraries include dates and travel times, airport terminals and check-in requirements, flight numbers, aircraft types and duration of the journey, as well as hotel names, addresses, telephone numbers. Itineraries can be styled to your own specific requirements and can incorporate your appointments and other business related information, if need be. Itineraries can be viewed online, via your smartphone, using Viewtrip Nextgen. This application will always display, up-to-date travel plans and has a calendar sync feature.
FINANCIAL BENEFITS FOR OUR CLIENTS XL Saver Options
Each month, XL Turners Travel will generate a Cost Savings Report detailing all travel transactions and savings on flights. This report will show each travellers’ expenditure and their savings on flights which were discounted. These amounts are reflected in both a percentage and a Rand value. Route and Fare Options Customers are always offered at least two options on all itineraries. These options allow you to choose between the least expensive fare available for your journey and the most convenient in terms of the amount of time spent travelling and doing business. XL Turners Travel subscribes to an online service, BestBuy Plus, which continually monitors all bookings, so even after quoting, our consultants will be alerted if a cheaper fare is available, and we pass this saving on to our clients.
XL Travel has a range of packaged deals, which are structured in conjunction with a reduced airfare and accommodation at participating hotels with discounted car rental prices.
We also subscribe to other services which ensure our clients get the best possible price: E Global Fares – enables us to take advantage of cheaper fares that are not available in South Africa; while Agentivity Ticket Tracker & Travelport E Tracker alerts our consultants to all ‘open’ unused tickets.

XL Turners Travels consultants will offer you discounts of up to 55 percent of the normal published airfare provided you are able to book and ticket your journey according to advance purchase requirements and subject to seats being available.
We offer negotiated discounted rates on group travel bookings. Our Consultants will successfully administer and organise group travel, for example, annual company conferences, team buildings, sports groups, holiday travel and ski groups.
Commercial Agreements with Suppliers
XL Turners Travel can negotiate corporate rates with all our major suppliers including hotels, car rental companies and airlines. The rates offered will vary and will depend on the support you are able to give these suppliers. Because of our extensive buying power, XL Turners Travel enjoys reduced rates on all major airlines. Airline Loyalty Programmes XL Turners Travel will record your frequent flyer number/s in all bookings and arrange for the redemption of miles. A MANAGED TRAVEL POLICY
We have a dedicated database which records personal preferences, specific travel requirements and company policy regarding all travel arrangements. We have an Online Booking Tool, which is web based and runs off our GDS. This online booking tool is not only user friendly, but cost effective in comparison to other online booking models in the market place. We suggest that any corporate company with a monthly spend over R300, 000.00 on domestic travel contact us for more information on this product. Costing will also be discussed in detail. Operational Management & Stability Our management team is operational and we can relate directly to passenger’s requirements at all levels. Many of our key people have attained their 20-year service awards.
1. E Global Fares Checks a specified routing and the price available for that routing if the ticket is purchased and issued elsewhere in the world. This can result in significant savings particularly where there are ‘special offers’ that are not available on fares that are sold in South Africa. 2. Agentivity Ticket & Travelport E Tracker Both of these systems track all ‘open’ unused tickets which alerts us to tickets that are available. This information can be forwarded to our clients. 3.
