I want someone focused on succeeding in the job and not just centered on how much money I will pay him.” Unless you are in Sales, never bring up any questions about salary or benefits. Focus on determining if you want to do this job so you know this is a good manager to work and thrive under. So many candidates rarely ask good questions. These questions can reveal more about the company culture and the prospective boss than they may have shared during the interview. Here are five key questions that you SHOULD ask at your next interview.
1. Could you describe to me your management style and the type of employee that works well with you?” Recognize that most people “quit a manager” when they leave a job. It’s often a problem with their boss that starts their job search. This key question lets you get a better glimpse into a prospective supervisor’s style. Are they team orientated? Or more dictatorial? Do they seem to be a micromanager? Or will you have autonomy? Keep in mind how you work best—that’s the manager you seek to work under.
2. Why did the person leave this job and how long were they in the position? This is a very revealing question even though it may not appear to be. It’s important to know if the person didn’t stay long and why he/ she choose to move on. Perhaps there is a problem in the department or the job wasn’t as it was described. 4. What are the biggest challenges facing the department (or company) right now? This question should uncover any problems such as budget cuts or loss of a large customer to enable you to see if your skills are a good fit and how stable this department is going forward. It can help you uncover trends and issues in the industry and perhaps identify areas where your skills could save the day.
5. What would you like to see accomplished in the first six months in order to view the new candidate as successful in the job? You want to discover how realistic the boss’s goals are. Can the job tasks be learned in a few months to enable you to perform and reach the needed goals? Be sure the objectives are reachable and not unrealistic. Sometimes employers get grand views of finding a perfect candidate capable of superhuman efforts. While most business leaders would agree that a great executive assistant is invaluable, many would find it difficult to say what exactly it is that makes a great executive assistant. That’s because a truly great executive assistant falls somewhere between magician and mind reader, always keeping plates spinning while at the same time anticipating what’s around the corner, and all the time giving the impression that it all takes little effort (if any at all). So assuming that the best executive assistants aren’t born but made, which of your traits should you focus on developing if you want to become a top executive assistant? 46 JULY 27, 2018
BE RESOURCEFUL
BE ORGANIZED Being organized isn’t about having a clutter-free desk. While it may help, it’s not essential. Being organized in your head is far more useful. This trait is similar to being resourceful in that you need to know where everything is and how it works. A good filing system can help with this, as it will mean you’re able to retrieve information quickly and efficiently. This doesn’t have to be a conventional filing system, but it has to be one that works for you and enables you to work efficiently. It also pays to have a solid follow-up process in place, so nothing slips through the cracks. Learn to use technology so that it helps you stay organized; the “Tasks” facility in MS Outlook, for example, is useful for follow-up and ensuring nothing is missed.
Executive assistants are often expected to know the answer to everything and to be able to lay their hands on exactly what’s needed at any given moment. One of the best ways to become resourceful is to be open to learning. Whether it’s how to replace the toner in the photocopier or work out the quickest route from the office to the local gym, don’t be tempted to leave it for someone else to do; this is a wasted opportunity to learn and to add to your repertoire. When faced with a task that proves challenging, try to figure it out yourself instead of handing it over to someone else. This is how you will become resourceful, which in turn will make you indispensable. And while the best executive assistants may not know everything, they almost certainly do know where they can find the answer they need or know of someone who may know the answer. Always keep on hand the details of contacts that will be able to assist you should you need to reach out to someone for something you’re not able to produce yourself. VOL. 23 ISSUE 1151
COMMUNICATE EFFECTIVELY RESPECT CONFIDENTIALITY ANTICIPATE & ACT PRE-EMPTIVELY Knowing how your manager operates will help you anticipate events and work pre-emptively. This is especially useful when things take a downward turn. While you may not need a contingency plan for all events, it’s sometimes useful to have something up your sleeve should you need it. Try to develop a mindset that enables you to operate one step ahead. Over time, as the relationship with your boss develops, you will be able to read the signs that tell you something else may be needed, or that current plans are likely to change at the last moment. When given a task, always consider whether there’s anything your boss may have overlooked. If so, take it upon yourself to add in a contingency measure just in case you’re asked for something in addition to the original request at a later date.

In order for the relationship with your boss to develop and flourish, he or she needs to know that you can be trusted. If any information is meant to be shared, your boss will let you know. Don't divulge confidential information, even if you think that it's in safe hands. Also, don't disrespect your boss or any colleague to others. If you have an issue that you feel needs to be addressed, use the proper workplace procedures in order to get it resolved. If your boss feels that you can't be trusted with confidential information you won't be given the opportunities you need to enable you to grow in the role. Don't risk ruining your career; always keep confidential information confidential. These are characteristics that all great executive assistants possess. Focus on developing these traits and you will become not only a highly valued employee, but one whose contribution will be recognized as essential to the continued success of your boss, your team, and the company as a whole.
Only through communicating effectively with your manager will you be able to develop a strong relationship and gain an understanding of what is required of you in your role, something that’s essential if you are to succeed. Many manager and assistant relationships flounder, or never reach their full potential, simply through poor communication. While a good leader will know the benefits of a close working relationship with his or her executive assistant, some may not know how to develop and nurture such a relationship. Similarly, some executive assistants will believe that they can fully support a manager without the need for anything more than the most basic communication. This is rarely so. If you want to be the mind reader that your boss almost undoubtedly wants you to be, you will have to know how he or she operates, and the first step to finding that out is through communication. Sit down with your boss and ask him or her to set out what it is they expect from you. Ask them about their daily schedule, what you can help them with on a daily basis, how they want to communicate with you, and how often you should meet face-to-face to catch up on business; get as much information as you feel you need at the outset. Once you have this basic information, you can develop a schedule for both you and your boss. Always try to keep communication channels open between the two of you, as this will help you learn to read your boss, which will give you an advantage in almost all aspects of your job. These skills will also help you to communicate with others on behalf of your manager, be it his or her team members or external stakeholders. JULY 27, 2018 47

Why do you think all debt is bad? Aren’t some kinds of debt, like a mortgage or student loans, good?
I owe $18,000 on my only car, and the payments are killing me. I’m also upside down on the vehicle by about $4,000. I’m 31, and I’ve got exactly $18,000 in my 401(k). Should I cash it in to pay off the car?
Nathan Dear Nathan, It sounds like you’re letting me know you think some kinds of debt are okay, instead of really asking for my opinion. When you ask a question that’s really a statement, it’s called a passive aggressive question. That’s okay. You and I will now argue as best we can in a newspaper column. It’s not necessarily a question of what I think. I’m really just the aggregator of information we’ve gathered while walking with people through their financial issues. I’ve worked with tens of thousands of folks over nearly 30 years, everyone from billionaires and millionaires to broke people, and those in between. In the process, we’ve collected a lot of data through formal research projects — I’m talking about a huge stockpile of statistics, facts, and figures. And all that data shows debt is the biggest roadblock between people and wealth. I’m also a Christian. Having read the bible, and what it says about money, I can tell you there’s not one place where it says debt is a good idea. So, all that information leads me to one conclusion. Debt is not a positive thing. The only kind of debt I don’t beat people up over is mortgage debt, as long as it’s a 15-year, fixed rate loan. Houses are wildly expensive, and I understand that most people can’t save up to buy a home with cash in a reasonable amount of time. Still, that doesn’t make mortgage debt a good thing.
Monty Dear Monty, If you use your 401(k) they’ll charge you a 10 percent penalty, plus your tax rate. That means you’ll probably lose anywhere from 25 to 50 percent to the government. I don’t know about you, but I think they already get too much of our money. I love the fact that you want to get rid of your car payment, but I don’t want you to cash out your retirement plan to make it happen. If you can pay off the car in 18 months or less, I’d advise living on a strict, written budget, and throwing as much money as possible toward the car debt until it’s out of your life forever. If it would take longer than 18 months to pay it off, I’d get rid of the car. To do this, you’d have to sell it for as much as you can get, then go to a local credit union for a small loan to cover the difference. If it’s your only car, you’d need to ask for an extra $2,000 to $3,000 to buy a little beater to drive until you can save up and get into something better. I hate all kinds of debt, Monty. But being $5,000 to $6,000 in the hole is a lot better than having $18,000 in debt hanging over your head! —Dave
