Ability to lead a diverse group of professionals with a variety of educational and functional backgrounds. Certified Public Accountant designation preferred. A cover letter is your first chance to give a potential employer an impression of you, so it is astonishing how many job seekers don’t know how to write an effective cover letter, or even worse, don’t include one at all. While a good resume is important, a well-written introduction should be thought of as equally significant. In today’s job market, companies are often inundated with resumes. To ensure that yours stands out, your cover letter must demonstrate to the company that you are a serious candidate. You need to show that you have read the job description carefully and that your experience or education gives you the qualifications necessary to perform the duties of the job. While it may be tempting to draft a letter than can easily be sent to dozens of different companies, a boilerplate letter will not be as effective as a cover letter tailored for a specific company. He was exasperated that after 6 months of endless applying he was still unemployed with no job in sight. His resume was pretty weak. I discussed some of my best practices with him and thought I’d share a few with you. The holidays are the perfect time to perfect your resume and get it in super shape so that it’s ready to entice employers to call you in for an interview. Here are a few of my Robin Ryan’s Resume Writing Best Practices: 1. BE TECHNOLOGY READY. Most companies use employment software to handle the application process especially when you apply online. These computer applications usually cannot read: text boxes, color ink, photos, lines across the page, any graphics and most are unable to read a PDF document. 2. STRESS RESULTS. Results get attention! List your specific accomplishments. Note your actions on your job and what was the outcomes of your work. List what did you increase or decrease. Did you save time or money? Did you make money? Have you created something new? Did you improve something? These are the kinds of results that employers want to know about. 3. TARGET THE JOB TITLE. Employers hire for a specific job so outline your skills and abilities to do that exact position you are applying for. Do not generalize. Be sure to include the essential experience that’s necessary for performing that position. Show you have the done the needed work tasks by using good key words in your sentences. 4. CREATE A SUMMARY OF QUALIFICATIONS. This consists of four to six sentences that highlights your key experience and strengths that you offer an employer. o some, her job title sounds scary. But cancer registrar Suzanna Hoyler does vital work. She compiles information about cancer cases at the Washington Hospital Center in Washington, DC. She gathers data that researchers, healthcare providers, and public policymakers use to combat a common enemy: cancer. Suzanna directs the efforts of a small team of cancer registrars. Their core duties involve case finding, abstracting, and followup. “With case finding,” Suzanna says, “we look at every diagnosis of cancer—and certain benign tumors—and we read pathology reports and medical records to decide whether a case is suitable for the registry.” Cancer registrars working in a hospital make registry entries only for patients who were diagnosed or received a first course of treatment at that institution. “Next, there’s abstracting cases,” she says. “That’s the main job of summarizing the patient’s medical records. You’re taking English-language medical jargon and translating it into a coded structure that’s standard across the country. For example, the code for lung cancer is C34.” In abstracting a case, a multitude of these specialized cancer-registry codes are assigned to record demographic information for the patient, type and location of the cancer, stage of the disease, details and dates of treatment, and treatment outcomes.

Cancer diagnosis and treatment involves several procedures, which often are done at numerous locations. The cancer registrar obtains information on treatment provided to a patient at these other medical facilities, as well. “Medical care is given in many places,” Suzanna says, “so a patient might have a biopsy done in a physician’s office, go somewhere else for a CAT scan, and then come to us for surgery. We’re required to get all of that information.”


The third component, following up, happens once a year with every patient who has a record in the registry. “We do followup,” Suzanna says, “by checking our records to see if patients have been back to the hospital, by surveying doctors who were active on cases, and by writing to the patients and asking them how they’re doing.” Hospitals and other healthcare providers must submit their registry data to be compiled in comprehensive State cancer registries. The followup information that Suzanna and other cancer registrars collect about patients allows State health departments to calculate survival rates for different cancers. Other registry data allow public health officials to identify geographic areas with a high incidence of potentially screenable cancers diagnosed at a late stage. Based on such information, screening programs can be developed for the populations identified so that cancers may be caught earlier, when they are easier to treat. Registry data also support cancer research in various ways. The hospital might be asked to participate in a study involving clinical trials for treating a specific type of cancer. “One of the ways we use the data,” Suzanna says, “is to answer the question: Do we have enough patients that meet the criteria for a clinical trial?” To find a quick answer, Suzanna queries the registry data. “This might save researchers from having to review the medical charts of 400 patients to identify the 20 patients for a study,” she explains. Large medical facilities like Washington Hospital Center also use registry data for business purposes. For example, Suzanna looks at the data to identify trends in services provided. If the hospital is increasingly treating a certain type of cancer, hospital administrators may decide to invest in expensive medical equipment used to treat that cancer. This promotes efficiency in allocating healthcare resources. The occupation of cancer registrar is a specialty within the broader occupation of medical records and health information technician. Suzanna believes cancer registrars may balance more varied duties and apply more

in-depth knowledge than do medical records and health information technicians in general. “You’re not always sitting there coding all day,” she says of cancer registry work. “You might do some case finding, you might do quality control by reviewing information abstracted by other registrars, you might work on a special study or report, or you might be abstracting cases or doing followup. Everything has to get done at a certain time, but you decide how to manage your desk.” Suzanna enjoys applying medical knowledge in her job. She knows which drugs are used to treat cancer and which others are given to control side effects; she codes the former in the registry, but not the latter. “You also really have to understand a pathology report,” she says, “so when you read about what tissue the cancer has affected, you can code the stage of disease.” Most people entering the occupation come from among the ranks of medical records and health information technicians. They have related work experience and often have an associate degree in health information management. These technicians—and sometimes other allied health workers—learn the specialized knowledge and skills of a cancer registrar through on-the-job training. A smaller share of workers attend 2-year programs

specifically designed to train cancer registrars. Eleven schools currently offer cancer registrar programs approved by the National Cancer Registrars Association. Like most cancer registrars, Suzanna has professional certification, which she gained after passing an exam given by the association. Candidates must meet minimum education or experience requirements to sit for the exam. In addition, registrars must earn 20 hours of continuing education credits every 2 years to keep their credential. According to the association, Suzanna is 1 of about 3,400 credentialed cancer registrars in the United States. The Association estimates median earnings for cancer registrars at between $30,000 and $35,000 per year. The Bureau of Labor Statistics does not publish employment and earnings data for cancer registrars. Suzanna enjoys her job because, as she says, “I love data.” And she thinks the occupation has a lot to offer. “For someone who’s detail oriented, self motivated, and likes a challenge, this work can be very rewarding,” she says, “and I don’t think you ever stop learning.”

The Church’s Emergency Fund

I don’t really have a problem with condos as paid-for investments. I own a couple of them myself. When it comes to making this kind of investment for the first time, however, I would advise that you keep a few things in mind.

Dear Dave,

Based on equal price and equal neighborhood, the average single-family home will probably increase more in value over the years. Now, a nice, well-placed condo will obviously go up in value faster than a traditional house in a lesser neighborhood. So speaking in an overall sense, they’re not bad investments if you do your homework. You have to think about what you’re getting into and also take into consideration a number of variables. What are the HOA dues or condo fees going to be? Is the condo association being managed well? That and the neighborhood are the two biggest concerns I have when buying a condo. A lot of condo associations are very poorly managed. And if they don’t provide proper maintenance or keep a certain percentage of the complex owner-occupied versus rental, the condo association or complex can lose the ability to get normal permanent financing. If they can’t get FHA, VA or conventional financing, the values are going to drop like a rock — because you’ve only got cash buyers and investment buyers at that point. Research on these kinds of things doesn’t take an awful lot of work. Just call the management company, and the realtor who’s involved if it’s listed, and ask for the documentation. Most of the time this sort of stuff is public information, so it’s not hard to access. Some other questions you might ask are: What are the Vol. 21 reserves forIssue the 1037 roof? I pastor a small church that is debt-free. I’d like for us to save an emergency fund for the church, but I’m not sure what would be considered an expense. Can you help? David Dear David, In terms of mathematics, I would advise looking at it the same way you would a small business. The goal, first and foremost, is to keep the doors open in case something bad happens. The secondary goal could be to pay bills on time for the sake of the church’s reputation, and the third goal would be to do all this without putting a strain on the organization. In business, we would call this fund “retained earnings.” Technically, a church doesn’t have earnings, but they do have income. You’ll want to retain some of that on a regular monthly basis. For a church, basic things like payroll, utilities, insurance and taxes would need to be covered under an emergency fund. Coffee and donuts, new hymnals, and mission trips aren’t necessities. You should already be running a monthly and annual budget on the church, so separate the necessities per month and multiply that by a three to six month figure. There’s a huge level of wisdom involved in a church being debtfree, David. Congratulations! — Dave

HR CORNER Administrative Role

An eďŹƒcient human resources manager understands the importance of HR administration. She organizes and directs the administrative functions that the company needs to meet its objectives. Companies variously refer to this position as HR manager, HR and administration manager or director of human resources and administration.

Ongoing Requirements

An HR manager develops company policies and procedures based on government requirements and the business’s infrastructure and needs. She interprets employment laws, deciphers those that apply to the company and delegate to her subordinates the duties needed to establish internal policies. Policies and procedures may relate to recruiting, staffing, termination, employee benefits, compensation, record-keeping, health, safety, conduct, discipline, discrimination and work performance and labor contracts. Keeping track of employment trends is a key administrative competency for HR. For example, the HR manager stays up to date on changes the Internal Revenue Service might make to the company’s cafeteria-plan benefits. She also reviews company policies and modifies them based on the changing needs of the company and its employees. For example, she may alter the employee recognition and reward program based on the result of employee surveys and company budget.

Innovation & Technology An HR manager chooses HR technologies that improve administrative functions. For example, she works with software vendors to develop human resource management databases that improve the company’s job application, employee benefits, performance evaluation, timekeeping, leave, reporting and record-keeping systems. One application may ensure that employees’ records are current by sending email reminders to managers when certain documents expire. Another application might simplify cost tracking, which is essential to monitoring HR-related expenses.

Record-keeping System An effective HR record-keeping system documents and properly secures employee-related files. The HR manager oversees the implementation and maintenance of records that relate to work authorization, work performance, protected status such as race and national origin, payroll, medical information and job history. She ensures the filing system meets federal and state requirements and that relevant employees, including managers and supervisors, exercise confidentiality when dealing with sensitive information. Â

Along with her regular administrative tasks, the HR manager specializes in employee management. This is a broad role that requires her to combine her administrative and leadership talents. She solves employee disputes and works closely with managers and supervisors to meet departmental staffing needs. She oversees recruiting and interviewing processes to fill open positions and implements new hire orientation and training and development programs to properly educate employees. During strategic planning, she works with company executives to establish future administrative and financial goals.

You need to call the recruiter and tell them how much you want this job. Tell him/her tha t you know that you can do it, because it’s what you were doing a t the last compan y. Then you ha ve to tell the recruiter that you are feeling horrible because you feel as if you stretched the truth a t your inter view. Even though you did everything you said that you did, you were not ultimately responsible f or the project. Explain tha t you were not tr ying to mislead anyone, but you’re afraid they ma y ha ve gotten the idea tha t you were the lead project mana ger. The recruiter will ha ve to take it up with the other decision-makers, but if you express sincere reg ret, it ma y turn out oka y. Do not, a t an y time, sa y, “To be honest.” Tha t phrase is a dead giveaway that you haven’t been honest with them before. I have to tell you tha t you are the perfect example of what happens when the truth gets “stretched.” I know you realize how upset and ner vous you’ve been, and tha t you know tha t it was a mistake. Administrative assistants once spent the majority of their time taking dictation and typing company correspondence. This required the knowledge of shorthand and transcription, but with the modern office’s reliance on computers, administrative assistants now need to be fluent in keyboarding, word processing, use of the Internet for research and communication, and a variety of software, including graphic design, desktop publishing, databases, spreadsheets, project management, payroll, and inventory management systems The ability not only to operate a wide variety of equipment—multi-line telephones, videoconferencing systems, fax machines, laser printers, network routers, web cameras, scanners, and copiers—but also to research, procure, maintain, and troubleshoot these essential resources is important.
