Administrative Services Quarterly Newsletter

Volume 2 Edition 1

Message from the Vice President of Administrative Services Tracey L. Richardson Welcome to the start of the fall 2017 term. The beginning of the academic year is always exciting as we welcome new students and welcome back our returning students from their summer break. Many faculty members are also returning from a summer break and we welcome you back as well. NEW MANAGER I would like to extend a warm welcome to our newest manager in the Administrative Services division. Shawntee Milton is our new Director of Fiscal Services. If you have not had a chance to meet her yet, please take some time and stop by Building 10A to welcome her to our wonderful campus. Most recently, Ms. Milton was employed as the Associate Director of Financial Planning at Loyola Marymount University where she worked since 2008. We are excited to have her as a part of our team. BEGINNING OF SEMESTER REMINDERS The beginning of the academic year is a good time to send out reminders such as: • Signature authority for the campus - The only individuals who are authorized to enter into contracts and agreements on behalf of the college include Roger Wagner, Peter Maphumulo and myself. • Student field trips – If you are taking students off campus in relation to a college sponsored or academic event there is a very specific approval process. Please refer to the Risk Management web page for more details: http://www.vvc.edu/offices/admin-services/riskmanagement.shtml.

Summer started off with a departmental pancake, sausage, and egg breakfast.

All you can eat was on the menu along with fruit, hash browns and plenty of coffee and juice. M&O was celebrating another successful school year and Commencement ceremony. This has become an annual event for M&O, something the managers put on to demonstrate our appreciation for all of the hard work the team does. Dr. Wagner even joined the event on his day off! He rode up on his motorcycle and enjoyed breakfast and conversation with the team. Prior to breakfast that morning the Custodial staff completed training on new Waxie supply dispensers. M&O has decided to partner with Waxie Sanitary Supply. As you will notice campus wide we have installed paper towel, soap, and toilet paper dispensers. We are pleased that this partnership brings: lower cost, better quality supplies, improved customer service, and a sustainable approach with paper products (100% recycled fiber). M&O as a department has been continually working with the teams on training and have a 4 hour customer service training scheduled prior to the start of the fall semester.

The Custodial staff has taken on a team cleaning concept under the direction of manager, Joseph Garcia. This has proven to be an outstanding approach to everyday classroom care but especially floor care - both hard floors and carpets. Carpets have been extracted and floors have been scrubbed and finished campus wide. The staff is motivated in completing the project list as never before. The goal was to clean 80% of all floors over the summer. This is an extraordinary accomplishment as we have been working around 6 and 8 week summer session classes with business as usual by the day staff.

The Maintenance staff has been working on specific projects over the summer. In Liberal Arts and the Technology Center approximately 10 math classrooms have been remodeled with new class configurations for hands-on learning. Painting, installation of white boards and state-of-the-art audio visual technologies have been installed by our I.T. team.

Building 52 underwent a much needed renovation to accommodate some ADA compliance issues. All of the services counters and service windows were replaced and lowered with more customer friendly windows. New ADA compliant seating was purchased and installed along with new PC’s for the staff as part of the refresh program being implemented by the I.T. Department. Thanks to the Risk Management team for all of their assistance and direction in completing this project.

The Grounds staff has been very busy readying the campus and sports fields for the fall semester. The campus looks great! Alex Rickards and his staff should be very proud. 252 acres is a lot to take care of with a 6 person team. They are also working to complete some much needed landscaping on the West side of Building #10. This also should be completed prior to the start of the upcoming semester.

The Switchboard and Warehouse staff have been very busy as well. The Switchboard staff are busy answering hundreds of calls from inquiring students while updating mailing files for new and part time faculty and staff. The Warehouse team is very busy receiving and delivering thousands of packages, books, and equipment throughout the district. They also facilitate all of the individual office and departmental moves that take place on campus every semester.

Outstanding job team! Keep up the great work! Steve Garcia, Executive Director of Facilities & Operations Joseph Garcia, Maintenance and Operation Manager (night shift) | Maintenance and Operations
